This telephone is not designed for direct operation on public telephone network interfaces If problems occur when operating the device, please consult your dealer or the Tenovis service in the first instance. The Declaration of Conformity can be requested from the following internet address. or under index look for the key word: Conformity The equipment may only be opened or repaired by a qualified technician. Do not open the telephone yourself. Doing so could damage the unit and cause it to malfunction. Positioning the telephone Place the telephone on a non--slip surface, especially if the furniture is new or has recently been cleaned with cleaning agents. Enamels or cleaning agents may contain substances which soften the base parts of your telephone, and the softened bases can leave undesirable marks on the furniture. Star and Hash: For special functions Handsfree mode: Activates the loudspeaker and microphone so that you can use the phone with the handset on-- hook. Menu / Up--arrow: Displays the menu from which you can execute many of your phone s functions. Down--arrow: Moves the highlight in the display downwards. Enter: Calls up a highlighted menu item, or confirms an entry. Call monitoring: Switches the loudspeaker on and off and enables dialing with the handset on--hook. Redial: Displays the redial menu (the five most recently dialed external call numbers). Refer--back: Initiates refer--back. Release: Releases the current connection and, in entry mode, exits the current menu. 6

7 Special features of your telephone Get to know your telephone The display helps you The display contains various information such as the status of your current connection. The displays also guide you step--by--step through the operation of the phone. The display keys have varying functions, depending on the operating steps you are currently executing. The current function of each key is shown in the display (see Page 10). The display shows you the call number of every ISDN caller, enabling you to see who is on the other end of an incoming call. If name and call number of the caller have been stored in your telephone system, you will see the caller s name. Menu and function keys Most functions can be selected and executed via the menu (see Page 9). To make operation easier, you can assign frequently used functions to the display keys (see Page 91). Protection against unauthorised use You can use the lock function to protect your phone against unauthorised use (see page 60). 7

Press the up or down arrow key until the desired menu item is high- or lighted. Press this key to call up the highlighted function. Cancelling a procedure Ifyoumadeamistake: Lift the handset and replace it again. Ending and storing a setting Scroll to the End menu item. i If you cannot find the desired function in the menu, check whether it is assigned to a display key. Functions assigned to display keys no longer appear in the menu. More functions become available while you are using the phone. These can then be called up in the same manner. 9

10 Get to know your telephone Basic operating principles What does the idle display show? 21 Miller :50 Night service 1 (on) The idle display contains: -- Your name and call number -- Date and time -- Additional information on the status of your phone, e.g. Night service 1 (on). Using a status message to call up the associated menu item To change the status, e.g. deactivating night service: Scroll to the desired status message, e.g. night service 1 (on). To deactivate night service. Display keys The display keys may have various functions, e.g. acting as line keys to occupy external lines. In that case, the symbols below the keys display the status of the corresponding line: Symbol for the upper key Symbol for the lower key Symbol flashes slowly: Internal call Symbol flashes quickly: External call Symbol illuminates: Busy i You can connect a DSS module to your telephone. This makes it possible for you to enter letters (see Page 79). 10

11 Make it easy on yourself Get to know your telephone Adjust volume Various acoustic settings such as the handset or ringer volume can be adjusted to suit your surroundings. Specifying the language of the menu The menu items can be displayed in either English, German or French (see Page 74). Storing call numbers You can conveniently store call numbers for your telephone (see Page 34). Handsfree when called You can set your telephone to automatically answer internal calls in handsfree mode. You will not need to lift the handset and can immediately start speaking to the caller (see Page 69). Labelling display keys Labelling strips are provided below the display keys. You can then see at a glance which functions are assigned to these keys. 11

12 Get to know your telephone Making a call You can use the telephone as usual within and outside of your telephone system. Internal: Dial the desired extension number directly. External: Occupy a line and dial the call number. After calling an external number that s occupied, you can request for it to be called back after a delay. You can use the destination keys to dial the five most recently called numbers again (redial) and to dial frequently needed call numbers. You can initiate an automatic call--back within your telephone system to be notified when an occupied extension or external line becomes free. You can also cut into another call within your system if you have something urgent to tell one of the participants. If you do not want to reveal your number to an external call partner, providing you have the authority, you can prevent the number from being shown in your call partner s display. Making a call with speed dial Lift the handset. Press the Speed dial function key (function key must be programmed for this).... Enter the number of the general or individual code dialing destination under which the desired call number is stored. To use the phone without the handset: press the Handsfree key. Instead of entering the external line code press the Line key i 13

14 Get to know your telephone Making a call Setting delayed redial Scroll to the Set telephone menu item. Scroll to the Number of redials (3) menu item. Press repeatedly until the desired number of redials ( 0, 3, 5, 10 ) is set. The setting 0 deactivates the entire delayed redial function, and it no longer appears in the menu. Scroll to the Redial every (30s) menu item. Press repeatedly until the time interval of the delayed redial ( 15s, 30s, 60s, 90s, 120s ) is set. Delayed redial The line of the external subscriber dialed is busy. Scroll to the menu Delayed redial item. The display reads Redial every 30 secs.. The external call number is dialled automatically in accordance with your configuration e.g. 3 times every 30 seconds. Calling one of the five most recent external call numbers (Redial) Display the 5 most recently dialed call numbers. Scroll to the desired number, e.g Scroll to the Dial menu item. Dial the call number. 14

15 Making a call Get to know your telephone In case of busy signal (Automatic call back) Scroll to the Call-back menu item. Initiate call--back. You hear the acknowledgement tone. Replace the handset. As soon as the other connection is free, your telephone rings. Lift the handset. If all external lines are busy (External line call--back) You dial the exit code but do not get a connection. Press the external line call--back key. You hear the acknowledgement tone. ring. Replace the handset. As soon as an external line is free, your telephone will Lift the handset and dial the desired external call number. Cutting in on another call Scroll to the Cut in menu item. You are now included in the conversation and can give the subscriber your message. The subscribers hear a cut--in tone. Ending the cut--in Scroll to the End menu item. i To cancel external line call--back: Press the External line call--back key while the phone is idle. 15

17 Accepting calls Get to know your telephone You can lift the handset and speak with the caller as usual. Alternatively, you can answer the call by pressing the Handsfree key, which enables you to conduct the call with the handset on--hook. If another subscriber in your system or partner group receives a call, you can pick up the call from your phone. 19 Handsfree mode Get to know your telephone You can activate the loudspeaker of your telephone in order to hear the caller without having to use the handset. You can also activate handsfree mode during a call and then continue the conversation with the handset on--hook. Hello... You can also accept another call while you are already on the phone (Call waiting). You can accept up to three additional calls. Forwarding a caller Duringacall: Initiate refer--back.... Enter the number of the desired connection. Replace the handset. Answering a second internal call (Internal call waiting) You receive a second call while you are on the phone. Press this key to accept the internal call. The first caller is waiting and cannot hear your conversation. Answering a second external call (External call waiting) You receive a second external call while you are on the phone. Press the line key to occupy the calling line. You can now speak to the external caller. The first caller is waiting and cannot hear your conversation. 22

The same line is occupied. You hear the dialing tone.... Enter the number of the external subscriber whom you wish to consult. Connecting two external calls While you are on the phone (external call): Scroll to the Hold call menu item. The other party is waiting. The same line is occupied. You hear the dialing tone.... Enter the external number. Replace the handset. The callers are connected. You do not now have a line occupied. Switching between two external callers (Mediate) While you are on the phone (external call): An external caller is waiting. Press this key. You are then connected with the waiting external caller again. These functions must be activated by your network operator. i 23

24 Get to know your telephone Conference You can speak with two callers simultaneously (3 Way Conference). There are three ways of ending a 3 way conference call: -- Cut yourself out and leave the other two connected to each other -- Continue speaking with both subscribers individually (Mediate) -- End the conference and release all connections A conference is initiated via a refer back. Therefore, you can at first speak alone with the new call partner. As many internal call partners as you wish can take part in an internal conference call, or alternatively up to two external call partners. You can leave an internal conference, whereby the connection will remain between the other subscribers. An external conference is possible with an internal and an external call partner, or alternatively with up to two external call partners. If you have initiated an external conference, you have the possibility to end this and release all the connections, or you can cut yourself out of the call and leave the other participants connected with one another. 25 Conference Get to know your telephone Including a refer--back subscriber in an internal call During an internal call, e.g. with subscriber 11: Initiate refer--back. Establish a connection to an internal or external subscriber, e.g. subscriber 12. Scroll to the Conference with 11 menu item. The three of you can now speak with each other. If necessary, scroll to the menu item Extend conference: If necessary, confirm to include another call partner. Establish a further connection to an internal or external call partner and add to the conference as shown above. If necessary, scroll to the Quit conference menu item to leave the conference. The connection between the remaining conference participants continues. Including a refer--back subscriber in an external call During an external call, e.g. with subscriber : Initiate refer--back. Establish a connection to an internal or external subscriber, e.g. subscriber 12. Scroll to the Conference with menu item. You can now speak with one another. Select the menu item Extend conference: to include another call partner, if necessary. 25

26 Get to know your telephone Conference If necessary, establish a further connection to an internal or external call partner and add to the conference as shown above. If necessary, replace the handset to end the conference between all participants. If necessary, scroll to the Quit conference menu item to leave the conference. The connection between the remaining conference participants continues. Forwarding external to internal During the conference: Scroll to the Transfer call menu item. The following appears in the display Transfer call.... Enter the internal call number. Replace the handset. Ending the conference and maintaining the connections During the conference with at least one external subscriber: Scroll to the relevant menu item e.g. Return to 11. You are then connected with the one subscriber while the other holds the line. Ending the conference and external connections During the conference: Replace the handset. 26

You can also set up call diversion for another telephone in your system. You can decide whether the calls should be diverted immediately, or only if no one answers after a specified time period. 32 Get to know your telephone Changing call diversion from another phone You can call from outside of your TK-system and set up and change a call diversion for your handset or another telephone. This is possible from every telephone with subsequent -tone dial (DTMF). Call the subscriber whose call diversion is to be changed number from an external phone, e.g Dial your TK-system call Enter the call number of the remote control subscriber, e.g. 24. A dialing tone sounds as confirmation. Enter the internal call number of the subscriber for whom you want to change the call diversion. 4-or 6-digit secret PIN-of the subscriber must be entered, e.g A dialing tone sounds as confirmation. Now continue with one of the following four options (a - d): a) Divert calls to an external telephone (external call diversion) Press Star, 149. Enter the code for the call diversion option, e.g. 1. Codes for the call diversion options: 1 = immediate -- 2 = after a delay -- 3 = if busy to which calls are to be diverted, e.g Enter the external call number Press the Hash key. You hear the acknowledgement tone. i Changing call diversion from another phone must be activated by the service department. The service department will also tell you the number of the remote control subscriber. External call diversion You do not need to enter an external call number if you call out from the same telephone to which you want to divert calls. The call number assignment must be active for the telephone, though. 32

Enter the code for the call diversion option, e.g. 1. Codes for the call diversion options: 1 = immediate -- 2 = after a delay -- 3 = if busy Enter the internal call number of the subscriber as 2 or 4 digits from which the calls are to be diverted. You hear the acknowledgement tone. c) Diverting calls to another internal telephone or a mailbox (Call diversion to) Press Star, 71. Enter the code for the call diversion option, e.g. 1. Codes for the call diversion options: 1 = immediate -- 2 = after a delay -- 3 = if busy Enter the internal call number of the subscriber as 2 or 4 digits to whom the calls are to be diverted. You hear the acknowledgement tone. d) Deactivating call diversion or or Press Hash 149 for external call diversion Press Hash 70 for call diversion from Press Hash 71 for call diversion to You hear the acknowledgement tone. The call diversion is now deactivated. 33

34 Telephoning with convenience Storing call numbers Your telephone system can store up to 800 call numbers for all subscribers. Additionally, you can store up to 100 individual call numbers, which are then only available from your telephone. Call numbers can be stored using both the telephone book as well as the Programming menu item. You can assign the stored call numbers to your phone s display keys and then dial by simply pressing a key Storing individual call numbers Storing general call numbers Storing individual call numbers in the telephone book Storing general call numbers in the telephone book Dialing a number from the telephone book Changing call numbers in the telephone book later Deleting an entry in the telephone book

Enter the number that of the subscriber whose call number you wish to store. If the call number to be stored is only to be available from your telephone then you must also enter your subscriber number.... Enter the number of a free individual code dialing destination under which the entry should be stored (900 to max. 999).... Enter the call number to be stored. Confirm the number and if desired, store further individual call numbers or leave the menu with the release key. i According to how your system is configured you can store up to 100 individual call numbers. If the system has been configured so that you can store up to 10 call numbers, entries are possible for destination numbers Should questions arise, please ask your Tenovis Service. Instead of entering the destination numbers for individual code dialing destinations directly, you can automatically assign it to the next code dailing destination using the Next destination menu item. Individual code dialing destinations can be deleted with the Delete menu item. You can enter internal call numbers using the Internal destination menu item. Using the Pause menu item, you can select a dial pause when entering the call numbers. Select the Earth button/flash menu item if you are connected to another system which requires a flash key for external access. You can connect a DSS module to your telephone. This means that you can also enter the name after the call number (see Page. 79). 35

Enter the number of a free general code dialing destination under which the entry should be stored (100 to max. 899).... Enter the call number to be stored. Confirm the number and if desired, store further general call numbers or leave the menu with the release key. i According to how your system is configured you can store up to 800 general call numbers. Should questions arise, please ask your Tenovis Service. Instead of entering the destination numbers for general code dialing destinations directly, you can automatically assign it to the next code dailing destination using the Next destination menu item. General code dialing destinations can be deleted with the Delete menu item. Using the Internal destination menu item you can enter internal call numbers. Using the Pause menu item, you can select a dial pause when entering the call numbers. Select the Earth button/flash menu item if you are connected to another system which requires a flash key for external access. You can connect a DSS module to your telephone. All telephone entries are displayed including those to which no name has been assigned. Scroll to the desired entry, e.g. Nadine Lift the handset. 2. Method Scroll to the Telephone book menu item. Scroll to the Search menu item. or Press these keys repeatedly to scroll (forward or backward) to the first letter of the name you are looking for. Confirm the displayed starting letter. Select a name, e.g. Nadine Lift the handset. i Normally, only entries to which a name has been assigned are displayed in the telephone book. You can connect a DSS module to your telephone. This makes it possible for you to enter letters (see Page 79). 39

Scroll to the Modify entry menu item.... Modify the call number. Confirm your entry. Deleting a telephone book entry... Select the telephone book entry which you would like to delete (see above). Scroll to the Delete entry menu item. i Only entries to which a name has been assigned are displayed in the telephone book. You can connect a DSS module to your telephone. This makes it possible for you to enter letters (see Page 79). You must have access authorisation in order to be able to edit general entries in the telephone book. 40

41 Storing a number as a note Telephoning with convenience Storing a number as a note You can store a call number as a note, for example during a call. Press the Note key. If necessary, scroll to the Next note menu item to avoid overwriting a call number already stored. Confirm, if necessary.... Enter the desired call number. Scroll to the Accept menu item. The charges are as standard displayed in Pounds Sterling. Tenovis Service can switch the display over to units. 53 When you have something to say Telephoning with convenience You can make an announcement to all system subscribers who have a T1 telephone. They hear the announcement through the built--in loudspeakers on their phones. You can address individual subscribers, a selected group or all subscribers. You can also directly reply to announcements if this function is activated on your phone. If a subscriber in your system does not answer the phone or is occupying the line, you can send him a text message. These text messages can only be received by telephones equipped with a display. You yourself can receive up to ten messages. If your system is connected to a voice mail and messages have been left for you, you will see a display message. Meeting 14:30... You can enter this PIN yourself and also change it at any time. Once your telephone is locked, others can use it only for emergency or internal calls or to answer calls. If authorised, you can use your PIN to make external calls from other locked telephones. 65 Changing general settings Customising your telephone You can modify various settings of your phone according to your own needs. If you do not wish to be disturbed, you can temporarily deactivate the ringing for internal calls. You can prevent a second call being signalled during a telephone call. The caller hears the busy signal. If you wish, you can set the telephone so that only the company s number and not your extension number is revealed to your conversation partner. You can set your telephone to automatically activate handsfree mode when it receives an internal call. You will not need to lift the handset, but can immediately start speaking to the caller. You can also set your telephone to automatically occupy an external line whenever you lift the handset or start dialing.
