1 Training Guide Flex keys Soft keys Menu Transfer Message Directory Hold Mute Menu: Speed: Transfer: Message: Do Not Disturb: Directory: Headset: Hold: Mute: Flex Keys: Soft Keys: Speaker: Volume: Navigational Keypad: Speaker Exit Button Guide Navigational Volume keys Keypad Access the settings for your phone, such as changing the font and display Assign or use assigned speed dial numbers Transfer the current active call internally & externally Access message box/voic Block incoming calls. You can also activate Do Not Disturb while the phone is ringing, this terminates the call and the caller will get a busy tone Accesses the station, system and internal phone books If a headset is plugged in, this button allows you to toggle between the headset and handset Place a call on hold - the caller will receive on-hold music/marketing Cuts mic between you and caller A line, feature or quick dial can be assigned to these buttons *The LIP-9030 has 8 programmable Flex Keys & The LIP-9040 has 12 programmable Flex Keys* These buttons are interactive and have a changing function based on the phone s status Toggle the speakerphone On and Off during a call Adjust the Ring, Handset, Headset and Speaker Volume To scroll through function lists
2 Phone Directory Using the Phone Book Directory *Access the stored telephone numbers or extensions in your system* Voic Accessing your Voic Listening to Voic Press Directory followed by one of the following options: 1 - for your PRIVATE saved numbers 2 - for the PUBLIC saved numbers 3 - for all INTERNAL extension numbers Once selected you can then use the Navigation Keys to scroll through the list. To alpha dial, first press the button showing the letter you wish to dial - e.g press 2 for the letter B. Then press 1,2 or 3 depending whether it is the first, second or third letter on the button - e.g for the letter B, press 2 then 2 again. Press OK to dial the number Select the Voice Mail felx key (if configured) or press the Message button. Enter your password: This is your extension number followed by your pin number *If you do not know your pin please contact your system administrator* Once you have accessed your voic inbox here are the options available to you: 1 - New messages (Dial 1 again to replay message) 2 - Next message 3 - Delete message (Confirm with #) 4 - Forward message to someone else 5 - Call back the person who left the message 6 - Skip the message 8 - Record/re-record message Hang up when finished Redialling a number Call Log *List of phone numbers called and recieved* Press the LOG soft key. Scroll through the lift using the Navigation Buttons. To redial a number press the Send key. To find out information on the call press the Select soft key. Press Back to exit.
3 Dealing With Calls Answering an Incoming Call Making an External Call Making an Internal Call Rejecting a Call Placing a call on hold Lift handset or press the Pickup soft key. To pick up a call from another extension that is programmed to one of your flex keys, press the flashing flex key next to that extension or dial 7 then the extension number. *You can also set flex keys for call pick-up and group call pick-up* Lift handset and press a free flex key allocated to a line, or dial 9 to pick up a line and then dial your number. Lift handset, then dial the extension number or press the flex key assigned to the contact. Press DND button when a call comes in. Press Hold. To reconnect the call, press the green flashing flex key. Parking A Call Parking/Retrieving a call Call Waiting Parking - Press Transfer, then dial the park code. Retrieving - Lift handset and dial the park code. When dialling an extension that is engaged/busy, the Call Waiting feature allows the extension to be notified there is a call waiting. Transferring A Call Transferring a Call *Transfer to an outside line press Transfer then dial the number or press assigned flex key* During an active call, press the Transfer button, dial the extension number, external number (press 9 first) or press the programmed flex key. You can either speak to the recipient to announce the call, or simply hang up to complete the transfer. Returning to Caller from a Transfer If you are unable to transfer the call, press the green flashing flex key or Transfer to return to the caller.
4 Features Do Not Disturb (DND) *Makes your extension unavailable* Ad Hoc Conference Calls *3 way calling* *To configure this on the 9002 a flex needs to be assigned as a conference key. This can be programmed by one of our engineers.* Programming Call Forward (Routes your calls to another extension/group/ speed dial) *All these features will override your voic functions* Press DND to activate. Press DND to deactivate. *Please note that this is not available on the main admin handset* To call the first party, follow Making an External/ Internal Call above for instructions. Once connected press Conf Soft Key once. Call the second party (as above) Once connected, press Conf Soft Key twice to connect the calls. Dial 554 then select one of the following options: 1 - Immediate Call Forward (forwards all calls instantly) 2 - Busy Call Forward (only forward calls when you are on the phone) 3 - No Answer Call Forward (Only forwards calls if you don t answer) 4 - Busy/No Answer Call Forward (Mix of 2&3) Dial the extension number To disable call forwarding, dial 554 # Editing Ring Tones Changing Ring Tones Altering Ring Tone Volume Altering The Volume Of The Call You re Listening To Press TRANS dial 11 (Internal ring tone) Press TRANS dial 12 (External ring tone) Select desired ring ton by dialling keys Press + or - on the volume keys whilst the handset is down and ringing Press + or - on the volume keys whilst on the call
5 Programming A Flex Key Extension Number Speed Dial Number Call Park Page To exit press SPEAKER key Programming Your Name To Your Extension Press TRANS Press the flexible key you wish to program Dial the extension number Press TRANS Press the flexible key you wish to program Press SPEED soft key Dial the speed dial number Press TRANS Press the flexible key you wish to program Dial 601 Press TRANS Press the flexible key you wish to program Dial 543 When programming anything on the handset or if you dial an incorrect number press the speaker key to exit Press TRANS dial 74 Enter name (Text is entered just like text messaging, if you need to move forward a letter or require a space press up on the navigation keypad, the DND key will act as a backspace, press TRANSFER button). Press OK to store
6 Personal Speed Dials The ipecs system has two types of speed dials: Personal Speed dials ranging from , These can only be used from your own handset. System Speed dials ranging from , these can be used from any ipecs handset. (System speed dials can be entered by using the ipecs admin tool or from the administrator handset) Entering A Personal Speed Dial Number Using The Directory Press Transfer key then Speed key Dial the desired station speed dial number. ( ) or press hold to confirm Dial 9 for outside line, then the desired number to be stored Press HOLD Enter name and press HOLD If you are unsure of what the speed dial number is of the person you wish to call: Press Directory button followed by one of the following options: 1- For all your Personal speed dial numbers (Private Directory) 2- For all the Public speed dial numbers (Public Directory) 3- For all Internal Extension numbers which have been named (View Station Name) Once you ve selected an option, use your navigation keypad to scroll through the list. Press HOLD or SEND to call. OR Press SPEED Dial speed dial number
7 Voic Call Record NB. Requires a voic box and flex key to be programmed (see programming a flex key section for more details). You are required by Law to notify callers you may record calls. Allows you to record your external conversations, the recording is then sent as a new voic message to your voic inbox. Whilst on an active call to an external number, press the flex key labelled RECORD. Once you hang up, you retrieve the recording from your voic inbox Press TRANS Press the flex key you wish to program Press TRANS Dial 80 Accessing Your Voic Dial 650 Enter the extension number followed by password *NB. The voic will advise you to enter password but you MUST dial your extension number first.* Changing Password *Access your voic as detailed above* Dial 8 Dial 2 Enter new password followed by # *Access your voic as detailed above* Recording Your Greeting Dial 8 Dial 1 Dial 7 Record your greeting, when finished press HOLD To listen back to your greeting dial 5 Dial 554 followed by either: Activating Your Voic Immediate voic forward (automatically diverts call to voic ) Busy/No Answer (Only forwards calls when you are on the phone To deactivate voic dial 554#
8 Voic Listening To NEW Voic Messages Listening To SAVED Voic Messages When you have a NEW voic message an envelope will appear on your display. Dial 650 Enter password (Extension number followed by password) Dial 1 (New messages) Once you have listened to the message, hang up. *Message alert will continue to display until the new message/s has been deleted* Dial 650 Enter password Dial 2 (Saved Messages) Once you have listened to the message: Dial 1 - Replay message Dial 2 - To listen to the next message Dial 3 - The delete message followed by # Dial 4 - To forward the message to someone else Dial 5 - To call the person who left you the message Dial 6 - To skip the message When finished, hang up
