4 Preparng Guests Before the event, don t over-complcate thngs. Remnd your guests to brng ther phones wth them - that s all you have to do. We want to make sure they re not leavng them at home or n the car! T Do Text2Bd s desgned to be easy and ntutve for all users. Sendng out how-to nstructons before the event s unnecessary and can do more harm than good. not gve your keyword and shortcode to bdders before the aucton. Here are some phrases to borrow for your announcements: The slent aucton s on your phone ths year Remember to brng your cell phones, you ll be usng them to bd Don t be left out! Be sure to brng your phone! 4

5 Uploadng Items Before the event, Text2Bd s set up usng your tem nformaton. AuctonMaestro Pro takes all of the tems you ve already entered, and walks you through the quck process of settng up Text2Bd. We recommend that you do ths the day before the aucton, so all last-mnute donatons have tme to be added. Here s how to set up Text2Bd wth your tems: 1. Open AuctonMaestro Pro on your computer. 2. On the man menu, clck Text2Bd on the top tool bar. 3. Go to the Upload Items to Text2Bd tab. IMPORTANT: For WebMaestro users, make sure that you have completed your fnal download before settng up Text2Bd. You want to make sure your latest tem nfo s n AMPro. 4. Follow the on-screen drectons to upload your tems! Revew your tems before uploadng to make sure that your (optonal) custom bd ncrements (mnmum bds, rases, etc.) are already to your lkng before uploadng. If you do nothng, they ll calculate usng our recommended 14 steps. You can fne tune these steps later n the Text2Bd Aucton Manager. The Text2Bd Logn Name and Password s emaled to you from the Text2Bd development team. It s not your WebMaestro or AMPro password. Any last mnute tems can be entered drectly nto the Text2Bd system later. Í 5

6 Customzng Text2Bd Customze your logos, colors, and other settngs. After you ve uploaded your tems to Text2Bd, log n to the Text2Bd Aucton Manager usng the Logn Name and Password from your Text2Bd welcome emal. The Aucton Manager s used to customze your settngs before the event, and t s also used later at the event. 1. Go to: 2. Clck the Log In lnk on the top-rght part of the home page R R R R R Step One: Before Event > Upload Pctures Use ths page to upload any logos or tem pctures you wsh to use wth Text2Bd. Ths page allows you to add pctures to your Text2Bd lbrary. After you ve uploaded pctures, you ll be able to select them on tem and settngs pages durng the next steps. Step Two: Before Event > Set Logos and Sponsors On ths page, the Aucton Name wll be the name that dsplays on leader boards and kosks. Select your Event Logo and your Sponsor s Logo from the lst. (f they re not n the lst, then make sure not to skp step one above) Step Three: Before Event > Set Dsplay Colors Select the font and background color for the Leader Board dsplays. Step Four: Before Event > Manage Auctons and Aucton Tmng Use the on-screen nstructons to set the start and closng tmes for your slent aucton sectons. If you plan to have dfferent closng tmes for your Text2Bd tems, make sure they re n dfferent Aucton Types n AuctonMaestro Pro before uploadng them. Step Fve: Before Event > Lst Items Set up No Lmt tems. By default, all of your tems wll be set up wth 14 steps and have a buy t now prce. If you want the tem to have unlmted bddng, edt the tem usng the edt button and set the Item Type to No Lmt. The Text2Bd Team wll provde help f you have any advanced questons. 7 Dsplay Boards Dsplay boards nform your bdders of actvty, and update automatcally. A dsplay board s smply a laptop computer attached to a projector, HDTV, or large montor. The computer(s) used can be Mac or PC. There are dfferent styles to choose from, and each style has four dfferent sze optons dependng on the projector you re usng. Create a Dsplay Board: 1. Attach your laptop to your projector, HDTV, or montor. 2. Go to: 3. Clck the Log In lnk on the top-rght part of the home page. 4. Clck Durng Aucton. 5. Clck on any leader/tem board to see t nstantly. 6. Press the F11 key to put the web browser n full screen mode. 7. Press the Esc key to see a lst of dsplay optons. Dsplay Boards requre an nternet connecton. Before the event, make sure your computers have ther Wndows/Mac updates run and are not set to go to sleep after perods of nactvty. The Item Board dsplays tems one at a tme, and wll showcase your tem pctures at full resoluton. Choose from: Item Board Style 1 - SVGA (800 x 600) Item Board Style 1 - XGA (1024 x 768) Item Board Style 1 - WXGA (1280 x 1024) Item Board Style 2 - SVGA Only The Leader Board dsplays a scrollng lst of tems. Whle vewng ths screen, press the Esc key to vew more optons. Choose from: Leader Board - SVGA (800 x 600) Leader Board - XGA (1024 x 768) Leader Board - WXGA (1280 x 1024) Leader Board - HD (1920 x 1080) 7

8 Bddng Kosks Bddng Kosks allow for bddng wthout cell phones. A kosk functons as a safety net for your bds. A kosk can be any computer or devce that s able to dsplay a full web page, such as a Mac or PC computer or nternet enabled devces such as Pads and Kndle Fres. A kosk s used only when cell phone bddng s not possble for a guest. Kosk-only bdders can not receve outbd notfcatons. Most auctons are served well wth only 3-5 kosks. Create a Kosk: 1. Go to: keyword] (If your keyword was AUCTION, your kosk address would be 2. Your bdders enter n ther Bd Number and Frst Name to bd. If a bdder forgets to sgn out of a kosk, t wll automatcally sgn out after 30 seconds of nactvty. Kosks requre an nternet connecton. 8

9 Regstraton At the door, guests regster ther phones wth the Text2Bd system. Bdder numbers are pre-assgned by AuctonMaestro Pro [3,4]. The Text2Bd regstraton process detaled below wll attach ther phone to ther pre-assgned bd number. Ths s accomplshed by the bdder enterng ther bd number nto ther phone. Regsterng a Phone: 1. The bdder texts your KEYWORD to a SHORT CODE, and the bdder mmedately receves a welcome message wth nstructons and a hyper lnk. If the bdder s usng a smart phone, the bdder taps the lnk and enters ther bd number. If the bdder s usng a standard phone, the bdder reples to the message wth ther bd number. My Keyword: My Short Code: You ll receve your short code and custom keyword no later than 7 days before the aucton. Once you receve them, wrte them down so they become part of ths handbook. Help Cards In the Text2Bd screen n AMPro, use the buttons for Instructon Cards to generate help cards for your event. Use Avery 5722 Busness Cards. Make sure the KEYWORD and SHORT CODE match the nformaton provded by the Text2Bd team. (Example help card) Standard Phone Regstraton Smart Phone Regstraton 9

10 Closng Bddng The last mnute bddng. The mad dash to the fnsh lne. Ths s the easy part. Snce we set our closng tmes already (page 6), Text2Bd s handlng all of ths for you. Items wth last mnute bds are held open for more bddng, and wnnng bdders receve text messages. Here s what to expect: Extendng the Aucton (optonal) If for some reason you need to extend the closng tme of the aucton, you can use the Extend Aucton feature. Reference the Cheat Sheet f you need to move closng tmes forward. 6 Soft Closng Popular Items Make sure your guests know about soft closng. Items that receve last mnute bds wll automatcally be held open untl bddng ceases. It only takes a few mnutes for all tems to close. % Wnnng Bd Notfcatons As soon as tems close, Text2Bd wll begn sendng out wnnng bdder texts. Guests can also text WINNINGS to see a summary of all tems they ve won. U The Aucton Closes As soon as all tems have closed, the wnnng bds download nto AuctonMaestro Pro (page 11). 10

11 Downloadng Bds AuctonMaestro Pro downloads all wnnng bds, cash donatons, and store purchases. You can download nfo from Text2Bd unlmted tmes to run reports, check aucton progress, or perhaps check out a guest early. Typcally, you only need to download once - rght after your slent aucton closes. Downloadng Bds On the man menu of AMPro, clck Text2Bd on the top tool bar. 2. Verfy your Keyword, Name, and Password are entered. 3. Clck Download Wnnng Bds from Text2Bd. The computer used for downloadng bds requres an nternet connecton. The only possble scenaro that could go wrong durng ths step s dscoverng your nternet connecton s down. Before the event, choose someone on your aucton team that has a cell phone able to share WF nternet, and s famlar wth how to use t. If you lose your prmary nternet connecton, use ther phone s nternet as a backup plan. Ï 11

12 Admn Cheat Sheet One person on your aucton team should be desgnated as the Text2Bd Troubleshooter, and they should be provded wth ths cheat sheet. We don t expect you to need all the nfo on ths sheet, but t s good to be prepared! Most scenaros below reference the Text2Bd Aucton Manager. Have the bdder text YOUR KEYWORD to Change a bd number In the Text2Bd Aucton Manager, go to Durng Event, then Lst Bdders. Clck the Edt button. Reverse a Bd In the Text2Bd Aucton Manager, go to Durng Event, then Vew Leadng Bds. Clck the Undo button. Revew Bd Hstory To vew the dgtal bd sheet go to Durng Event, then Vew Leadng Bds. Clck the magnfyng glass. Extend the Aucton In the Text2Bd Aucton Manager, clck on Durng Event, then clck Extend Aucton. Choose the entre aucton or just one secton, and enter the desred number of mnutes. Downloadng Bds Ò nternet and use ther phone s nternet to download. 1. On the man menu of AMPro, clck Text2Bd on the top tool bar. 2. Verfy your Keyword, Name, and Password are entered. 3. Clck Download Wnnng Bds from Text2Bd.
