1 STX & ios Devices Setting up and using STX iphone, ipad, ipod touch

2 STX for ios provides more flexibility and efficiency for you and your staff. With all the most often used features of STX desktop built-in, your team can be more efficient, more informed and more profitable. Guest information is now at your fingertips. View, add and modify appointments, tickets, service and retail history, all while connecting seamlessly to STX on your server computer. Stay up-to-the-minute with Goals; book and double-book appointments; create retail only tickets; take all forms of payment, including electronic credit card payments 1 ; guest receipts 2 ; and adjust inventory on-hand quantities from your idevice. Multiple company locations? STX for ios allows you to switch from location to location by tapping a single button. Requirements STX desktop application 2.9 v262 or higher STX for ios module Internet connectivity on the STX server and the idevice STX for ios installed on each device (purchased via the itunes App Store) Mobile devices can only view information about your business while your STX Server is turned on and is active. Turning off your server or setting it to sleep will prevent all mobile devices from accessing any information. No tickets, appointments, or clients are stored on the mobile device itself. 1 You must have credit card processing enabled with valid merchant information entered into STX. 2 You must be subscribing to the Online Services feature in order to guest receipts. 2

3 STX for ios Setup After purchasing the STX for ios app through the itunes App Store, you can begin the setup process on the mobile device. 3

4 A great feature of STX for ios is Push Notifications. Each time one of your appointments is checked in, you can be notified through sound, alert, or application badging. To customize the settings, choose the Settings option on the mobile device. Tap Notifications and tap the STX app. Set each notification option to suit your needs. 4

5 Access to your STX company data is controlled through device pairing. Device pairing coupled with standard username and passwords increases security and ensures the integrity of your data. The first time you launch STX for ios, you will be presented with a blank Pair Device window. Until you pair your mobile device with STX desktop, you will not be able to access any information. The pairing window on STX for ios is waiting for the proper pairing sequence from the STX desktop application. This is easy to acquire as long as you have access to the Device section of the desktop application. To acquire a pairing sequence, launch STX desktop and select the Device section of Setup. This section of STX desktop will show all of the devices you have successfully paired with your server. 5

6 Pressing the Pair button in the upper left-hand corner will provide you with a unique pairing sequence that can be used to tie an idevice to the STX data on your server. Once you press the Pair button, the unique sequence will be valid for approximately 3 minutes before it expires. This sequence needs to be entered onto the mobile device quickly in order to pair the device with the STX data on your server. 6

7 Enter the pairing sequence on the mobile device and tap Join from the keyboard area, or tap Connect in the upper right-hand corner of the screen. Once you have entered the pairing information on the mobile device, the name and device ID will appear on the STX desktop screen. If they are correct, click the OK button to complete the pairing process for the mobile device. 7

8 This procedure needs to be repeated for each iphone, ipad, or ipod touch device that you wish to pair with the STX desktop. Each successfully paired device will be listed in the Devices window. You can suspend device authorization by un-checking the Authorized checkbox for any device in the list. Devices that are authorized will allow your staff to log in and view data. Unauthorized devices will not be able to access your STX desktop data, regardless of the username and password being used. You can remove an iphone, ipad, or ipod touch from the list of paired devices at any time by highlighting the Device Name, and pressing the Delete button. If you delete a device, it will no longer be able to access STX desktop and you will need to re-pair the device if you wish to use the STX ios app again. You can use a device as a pole display to display the client receipt during the checkout process by checking the Receipt? checkbox next to a device. Each device marked as a receipt device will ONLY function as a receipt device while using the STX for ios app. All STX for ios functions are suspended until the Receipt? box is unchecked for the device. Your guests can view the ticket receipt on the device each time a ticket is changed, whether adding services, retail, gifts, performing a refund, or adding payments. This is especially helpful to California locations, which are required to display prices as items are added to a ticket, and before payment is requested. Just like a receipt printer, each computer running STX can set a preference to point to a different device. Simply open the STX Preferences window in the STX desktop application and choose the Receipts tab to set a Receipt Device for each computer. 8

9 Select the device from the Receipt Device popup menu. Check the Default Client Visit to Show Receipt box, and the receipt will automatically be displayed both on the device and on the ticket showing in the STX desktop application. When between tickets, the device will automatically begin to display a slideshow of images or movies that you have placed in an album entitled STX. You must create the STX album on the device itself or in iphoto, add the desired files and sync to the device through itunes. This is a great way to market to your guests, even if the album contains a single image of your company logo. Once STX for ios is launched, the slideshow will immediately start until a ticket transaction is opened in the STX desktop application, at which time the device will show the client s receipt. Once the ticket transaction is completed in the STX desktop application, the device will go back to displaying the slideshow. 9

10 Logging In Once you have successfully paired devices with your STX desktop application, you can access data using your mobile device whether remotely or from within the company location. You will first be presented with the standard username and password fields. You will use the same login credentials as you use for the STX desktop application. As with pairing, you only need to log into STX for ios one time unless you log out. Quitting the application will retain your credentials so that the next time you launch STX for ios, you will be logged in automatically. If the device is set to be a Receipt device, the login screen will not appear. The slideshow from the STX Album will immediately start to play. STX for ios Security Options There are four basic sections within STX for ios: List, Book, Tickets, and Goals. Each section has a different purpose and you can choose any or all of them based upon your security clearance. STX for ios restricts access to information in the same way that STX desktop restricts information. Security clearance between the two applications is the same. To set the security clearance, go to Setup: Employees in the STX desktop application. Highlight the employee for whom you wish to give the security clearance. 10

11 Go to the Security tab. There are 5 employee security categories which are used for both STX desktop and STX for ios. Setup Appointments Transactions Client Reporting Other security options are used strictly for STX desktop. Security: Setup The Manage Inventory option allows the user to perform a physical count of the inventory currently in stock. If you would like the employee to perform the Manage Inventory option from the device, you must check the following items in the Products section. Can Access Window Can Save Changes Can Access Mass Update The remaining security options for Setup do not pertain to STX for ios and are only used for access to areas of the STX desktop application. Security: Appointment If you would like the employee to view all days of appointments, check the Can View All Days checkbox under the Booking Calendar Window option. If you would like the employee to view the appointments for all employees, check the Can View All Employees checkbox under the Booking Calendar Window option. The remaining security options for Appointment do not pertain to STX for ios and are only used for access to areas of the STX desktop application. 11

12 Security: Transactions If you would like the employee to view all days of transactions, check the Can View All Days checkbox under the Transaction List option. If you would like the employee to view the ticket transactions for all employees, check the Can View All Employees checkbox under the Transaction List option. If you would like the employee to be able to adjust the full pricing of services and/or products on the ticket, you will check the Can Modify List Price checkbox under the Client Visit option. Otherwise, only the Net Price can be changed, either manually or by adding a promotional discount. If you would like the employee to accept a payment on the ticket, you will check the Can Access checkbox under the Payments option. The remaining security options for Transactions do not pertain to STX for ios and are only used for access to areas of the STX desktop application. Security: Client If you do not want the employee to have access to the client contact information, do NOT check the Can Access Client Info checkbox under the Client Card option. The remaining security options for Client do not pertain to STX for ios and are only used for access to areas of the STX desktop application. 12

13 Security: Reporting If you would like for the employee to view the Goals information for all employees, check the Can Access All Employees checkbox under the Goals option. The remaining security options for Reporting do not pertain to STX for ios and are only used for access to areas of the STX desktop application. STX for ios Features Once logged in, the Book view appears. There are a few features common to each section of STX for ios, no matter which view option you are working with. You can turn your device sideways to get a different view of your data. Turning the device sideways may remove the header and footer bars in order to maximize the vertical space available for data. Turning the device back to its normal orientation will restore each of these bars. The person currently logged in to STX on any given device is shown at the top of each window. To change users, simply tap the Log Out button and then login as the new user. An asterisk (*) will appear next to the login user s name when the device is connecting to the STX Server computer via the same local network. When a device is connecting from a remote location, the asterisk will no longer appear. 13

14 Locations Locations allows you to easily switch and work from multiple company locations, without having to re-pair the device each time you wish to view a different location. Tap the Locations button located in the upper left-hand corner of the screen. A listing of previously paired locations will appear. Tap the desired location to view and work with the data. If you have never paired with another company location, tap the Manage Locations... button. Tap the + sign in the upper righthand corner of the screen. The Pair Device window will appear. Enter the pairing string obtained from the corresponding company location. The login screen will appear once the device is approved in the STX desktop application. Tap Locations again to switch between the different company locations. 14

15 Date Search & Selection To change the date displayed on any window, you can use the left and right arrows in the top date bar to go backward and forward one day at a time. You can also tap the center of the top date bar to choose any specific date. Scroll through to find the desired date, or tap a number to jump forward X number of weeks. Tap Done when you have made the date selection. If you choose a specific date, STX for ios will always launch with that date until you change it again. At any time, you can jump back to today by taping the Today button located in the lower left-hand corner of each window. Log Out Click Log Out to logout of the STX for ios application. To confirm the logout, tap Logout. To cancel the logout, tap anywhere else on the screen. 15

16 Push Notifications Changing any appointment status to Checked In will automatically notify all of the staff on the appointment using Apple's Push Notification technology. Each staff member performing the appointment will be alerted, based upon their notification settings. Notifications are controlled by Apple s Notification Center. Logging into STX for ios as OWNER will make you a recipient of every Push Notification for all staff members. Notifications will appear when STX for ios is not running in the foreground. Taping the Launch button on the notification will launch STX for ios with the updated information. Tap the Close button to close the notification. STX for ios Options STX for ios has 4 viewing options. Each option has a different purpose and can be accessed by tapping the appropriate button across the bottom of the device screen. List view: A chronological listing of Appointments for the date being viewed. Book view: A graphical display of Appointments for the date being viewed. Goals view: Monthly Goals settings and expectations. 16

17 List View The List window lists the appointment statistics and all appointments for the selected date. Each appointment is grouped by time of day a n d c o l o r - c o d e d b y appointment status. You can scroll through the list to see all of the appointments for the day. To view more information about any individual appointment, simply tap the appointment and you'll see the appointment detail for that appointment. From the appointment detail window, you can make modifications to the appointment status, services, visit type, prebooked status and appointment notes. You can also add a guest photo if your device has a built-in camera. Appointment Detail Window There are two different ways to access an appointment detail window. Selecting any appointment will provide the detail window for that individual appointment. Booking a new appointment will present a blank appointment detail window. In either case, making or changing an appointment is simple. 17

18 Tap any line item to change its value. The window that shows up will provide you with the ability to select an item from a list or search for an item. In most cases, you'll be presented with a search window where typing in a few characters will bring back a limited list from which you can choose the best option. In most cases, it is necessary to tap the Edit button to make changes to an appointment. Certain commonly accessed features like appointment status can be changed without taping the Edit button. Tapping the Edit button may also show hidden features, such as the ability to add services and notes to an appointment. You also have the ability to cancel or delete an appointment while in edit mode. To end edit mode, simply tap the Done or Save buttons. 18

19 To add or change client contact information from the appointment detail window, tap the blue information circle which appears to the right of the client s name before entering into the edit mode. Tap Edit. Add or change the necessary contact information. Tap Future Appointments to view a listing of all future appointments. Tap Past Appointments to view a listing of all past appointments. Tap Retail History to view all past retail products purchased. Tap Service History to view all past services purchased. Services listed with a music note symbol indicate a Service Note is present. Tap the service with the music note symbol to view the service note/ formula. Tap Service History to return to the Appointment Detail window. Note: New service notes/formulas are added within the Tickets section. 19

20 Devices with a built-in camera can take a picture of the client to add to the client profile. Tapping the guest photo or the photo placeholder will enable the camera so that you can take a guest photo and add it to their card within STX desktop. On devices without a camera, the local photo library will be presented. Book View The Book view shows all of the appointments graphically for any given date. You can scroll up and down to see the appointments for the day, or you can scroll left and right to see appointments for other staff members. Each appointment shows the color-coded appointment status and presents the visit type by setting the color of the information within the appointment. You can use the pinching technique to zoom in or out of the Book. As you pass through 100% zoom, STX for ios will stop you from crossing this boundary. It's a simple way to always get back to normal or 100% zoom. 20

21 Appointments can be created by double-tapping in a blank space on the Book window under an employee column. Appointments cannot be lengthened or shortened on the device. Tapping one of the existing appointments will bring up the Appointment Detail window, as previously described. When rescheduling an appointment on the device, it is necessary to cancel/delete the existing appointment and book as a new appointment for the new date and time the guest wishes to reschedule. STX for ios also supports the ability to create a new appointment anywhere on the book, including on top of existing appointments by pressing and holding in place. This allows you to double-book or book in the middle of an existing appointment when an employee may be available. In our example, the 3:15 PM time slot in Barb s column is where we chose to doublebook an appointment. The darker shading of blue between 3:15 PM and 3:30 PM. is where we pressed and held. 21

22 After pressing, holding in place and releasing (or double-tapping an open time slot) a New Appointment detail window will appear. Tap the first last field to search for the guest's name. After searching, tap the existing guest s name, or tap add client to create a new guest record. 22

23 If you tapped add client, enter the new guest s information and tap Save when finished. The New Appointment detail window will appear with the new guest s name. Tap the add note option to add a note to the appointment. Tap Save when you are ready to book the appointment. 23 Tap visit type to select the visit type. A listing of all visit types will appear. Tap the appropriate visit type and tap Save. If the appointment was prebooked, slide the Prebooked option to On position. If the employee was requested by the guest, slide the Requested option to the On position. Tap the add new service at option to add a service to the appointment. A listing of all available services for the employee will appear. Tap the appropriate service and tap Save. Continue tapping add new service at until all requested services have been added to the appointment.

24 Tickets View The Tickets window shows a list of all tickets for a single date. No new tickets can be created on the device. Daily Statistics appear at the top. Unpaid Tickets are presented in red. The new ticket option allows you to create new tickets without having an associated appointment. The ability to create a new ticket without an associated appointment makes it possible to create retail only tickets from within STX for ios. Paid Tickets are listed in BLACK. Other Transactions, such as Cash Paid In/Out and Product Usage appear next. Inventory includes a manage inventory option where you can enter current on-hand quantities of inventory items in stock. To view a ticket detail, simply tap the desired ticket and the ticket detail window will appear. 24

25 Ticket Detail Window The ticket detail window includes information such as Visit Type, Services and Retail Purchased. You can view and edit basic guest information by touching the blue information arrow next to the guest name. Everything from phone numbers, addresses, future and past appointments, as well as service and retail history will become available to you depending upon your security. Tap the Edit button in the upper right hand corner to enter edit mode. 25 Through this window, additional services and retail can be added to the ticket after entering Edit mode. Tapping a service or product will allow you to modify the employee, price, or add a promotion. Tap Included Tickets to view which unpaid tickets have been included in the open transaction from STX desktop. Tap Pay Charge Due (if present) to view or edit the amount owed. Tap Add Tip to add a tip to the ticket transaction. Tips added through STX for ios are automatically set to the Tip Left In Drawer option. Open the ticket in STX Desktop to change the option, or make changes to how the tip is being disbursed.

26 Tap Done in the upper right-hand corner when all changes to the ticket are complete. When tapping a specific service, you can change the service, employee price, or add a promotion on a service. Enter a service formula note by tapping add note. If a service formula note has already been entered, the note will appear. Tap the note to make changes. Tap Done in the upper right-hand corner when your changes are complete. Tap Balance Due to add a payment to the open ticket transaction. ALL forms of payment may be accepted. Please note that the CASH payment type requires selecting a cash drawer configured in STX Desktop. NOTE: In order to accept electronic credit card payments, your STX license key must have electronic payments enabled and you must have an Instore Merchant account established in STX Desktop. Additional hardware, which attaches to an iphone or ipod touch, is necessary to swipe a credit card. 26

27 All electronic credit card payments received on a device will only be deposited into the company merchant account. Accepting electronic credit card payments for employees with individual merchant accounts MUST be added to the ticket in STX Desktop. Tap type Choose to select which form of payment will be used. A listing of payment types will appear. Tap the type of payment, and tap Save in the upper right-hand corner when finished. 27

28 If selecting the Cash form of payment, choose which cash drawer will be responsible for the cash amount. Tap Save in the upper right-hand corner. Adjust the Payment Amount as necessary. Tap Save in the upper righthand corner to accept the payment. 28

29 Electronic Credit Card Payments If selecting a credit card as a form of payment which is processed electronically, manually enter the necessary credit card information beginning with the credit card number. Do not enter any spaces or dashes. Enter the expiring 2-digit month. Enter the expiring 2-digit year. Enter the security code (CVV) of the credit card. Tap Save when finished. The Please Sign window will appear where the client simply signs with their fingertip. Tap Done after the client signs the signature line.!!!!!! Once the ticket has been paid, STX for ios offers the ability to either Receipt, Print Receipt, or Book Next Appointment. 29 To accept the signature, tap OK. To clear the signature so the client can sign again, tap Cancel. Tap Done once the signature is complete.

30 Tapping Receipt will allow you to enter the clientʼs address. If the client has an address on file or has a Responsible Party set, the used by STX will appear by default. If they do not have an address or would like it to be ed to a different address than what is on file, enter the desired address here. This address will NOT change what is stored on the client card. NOTE: You must be actively subscribing to Online Services in order to receipts to clients. Tapping Print Receipt will allow you to print a receipt for the client using the receipt printer already being used by the STX Desktop. The idevice with Mobile Terminal can see only those printers that are set up as receipt printers within STX, and that copy of STX must be running on the computer. Receipts printed from within STX desktop will show an obscured signature on the receipt. This is from where the client signed on the Device after processing a credit card payment electronically. NOTE: It is the industry standard to print an obscured version of the signature, rather than the actual signature itself. 30

31 At the bottom of each ticket, STX for ios displays the next appointment information for the guest. Tap the Next Appointment to view the details, or make changes. Tap Edit in the upper right-hand corner to enter edit mode. Tap any line item to make changes or you can delete the appointment. Tap add new service to add another service to the appointment. 31

32 If no future appointment is currently booked, a new appointment can be created using an Appointment Builder style interface by tapping Book Next Appointment. Each service the client just finished paying for on the ticket will appear. Tap any service line to select a different employee, or tap the red circle to remove the service. Tap add new service to the appointment. Tap the visit type line to select a client visit type. 32

33 Tap the appropriate Visit Type. Tap Save in the upper right-hand corner when you made your selection. Tap the desired number of week(s) option in the Availabilities in section. A listing of the top best fit time choices will appear. 33

34 Tap the requested day/date option to book the appointment or view listing of other time choices. Tap Book to book the selected date and time. Tap Show other times to view the listing of additional time options. 34

35 Each appointment time is listed first by Rank, which means the times are not in chronological order. Tap the requested time to book the appointment. Tap Book to complete the booking and return to the ticket. The booked appointment information will appear at the bottom of the ticket. 35

36 Retail Only Tickets New tickets can be created without having an associated appointment. The ability to create a new ticket without an associated appointment makes it possible to create retail only tickets from within STX for ios. Tap the new ticket option in the Unpaid Tickets section. You will be prompted to select a Client Visit type. It is not necessary to enter a client name. Tap add new product and select the product the client wishes to purchase. To track the item sold under a specific client name, tap the * No Client * area at the top of the screen. 36

37 Search for the client name, or tap add client to add a new client. Tap Save, which will appear in the upper right hand corner when finished. Tap add new service and/or add new product to add items being purchased on the ticket. Note: The add new service option only appears when a client name is added to the ticket. 37

38 Tap the employee line to select the employee selling the product/service. Tap the product line to select the product being sold. Tap Save in the upper right-hand corner to return to the ticket. Tap add new service to add more services to the ticket. Tap add new product to add more products to the ticket. Tap Balance Due to receive payment for the purchases. 38

39 Inventory: manage inventory Inventory Adjustment allows you to create an Inventory Adjustment record in much the same way as Mass Update, found in Setup: Products. Tap manage inventory to enter current on-hand quantities of products in stock. Tap add product. Search, scan or enter a product code. Tap the product and enter the amount you currently have on hand. Note: Scanning of products requires additional hardware, which attaches to an iphone or ipod touch device. 39

40 Enter the current On Hand quantity as you add each product. Tap Save when all products have been entered. An Inventory Adjustment entry will be created and presented in the Other Transactions section. Tap the Inventory Adjustment to see the products adjusted. Products where the On Hand quantities entered were different from what was already on file will be listed. The amount showing does not reflect the actual current On Hand quantities. A negative amount indicates a decrease in quantity from what it was originally. A positive amount indicates an increase in quantity from what it was originally. If an item does not appear in the list, there was no change in the quantity. 40

41 Goals View STX for ios contains the ability to track and display performance against goals, making it easy to see how your month is shaping up. To access goals, press the Goals button in the lower right-hand corner of the List, Book, or Tickets window. If you have the ability to view goals for all employees, you will be presented with a list of employees. You can select an individual employee to see their performance goals. If you only have access to your own goals, you will be presented with a list of goals. Goals that will meet or exceed their target for the month will display in GREEN. Goals close to being met will display in ORANGE. Underperforming goals will display in RED. As each ticket is added to STX, performance will recalculate and display a revised prediction for the month's end if the current pace is kept up. For more detailed information about any particular goal, simply select it and STX for ios will help you understand what you need to do to meet 100% of each goal based upon time remaining in the month. 41

42 Selecting an individual goal will show details about the performance and expectation of that goal, including how to achieve 100% by month's end. In this example, Barb has achieved an average Service Sales of $67.02, putting her on track to achieve only 67 % of her goal. Based upon the 5 remaining Work Days Left in the month, Barb must achieve at least $ of Service Sales per day to meet 100% of this goal. If we investigate Barb's Retail Sales performance, we can see that based upon sales to date, she is on track to achieve only 89% of goal. She has been selling $20.44 per day of retail, when her target was $22.97 per day. In order to achieve 100% of goal by month's end, she must sell $31.52 per day of retail for each of the remaining 5 Work Days Left. The goal setting for # of Tickets shows Barb is within 10% of meeting the goal. If Barb stays on track she should meet the monthly goal. With this information at your fingertips, it is easier to stay on track to meet or exceed each monthly goal setting before you. 42
