Mandatory Each beneficiary must ensure open access (free of charge, online access) to all peer-reviewed scientific (journal) publications relating the funding Pilot If participating in the Open Data Pilot, must provide data & metadata needed to validate results presented in scientific publications Must provide a data management plan (DMP) as deliverable by month 6 1

2 Why H2020 expects this: What do Open Access & Open Data mean in practice? And how does KU Leuven support you? 2

3 Open Access Every beneficiary must as soon as possible and at the latest on publication, deposit a machine-readable electronic copy of the published version or final peer-reviewed manuscript accepted for publication in a repository for scientific publications And must ensure open access to the deposited publication via the repository at the latest: o (i) on publication, if an electronic version is available for free via the publisher, or o (ii) within 6 months of publication (12 months for publications in the social sciences and humanities) in any other case in practice 1. You need to archive/deposit o the published pdf or author s last version after peer review o in an acknowledged repository arxive, PubMed, institutional academic database NOT project website, ResearchGate etc. o on acceptance, at the latest at time of publication 3

You must provide Open Access to this publication o publish in an Open Access journal or a journal offering per article Open Access costs eligible for reimbursement as part of the project budget while the project runs (post-grant support) o publish traditionally but archive in a repository and make the correct version of the article public for free max. 6/12 months after publication beware of copyright regulations! 5 When applying: 1. Support in describing which OA strategy will be followed: o publish Open Access => earmark budget for (Gold) Open Access average APC = 1,700 euro o archive output & make public => refer to repository through which you will do so this repository should ideally be OpenAire compliant When applying: 2. Mention support your institution will provide o KU Leuven provides standard text to be included in proposal o Support includes: OpenAire compliant institutional repository Open Access Support Desk KU Leuven - Library: what copyright policies apply? checks & adapts accessibility of file uploaded in the repository for the author OpenAire support 3. In a consortium: advice to appoint someone who will monitor Open Access compliance 5

6 During the project: 1. Support in implementing OA strategy o Advice to check Open Access regulations of publisher before you submit an article! SherpaRomeo website OA Support Desk at Library + specific question RCO 2. Help in connecting output to OpenAire & monitor Open Access compliance When reporting: 1. Support in using OpenAIRE o including overview & stats in OpenAIRE o importing papers from OpenAIRE into participant portal 2. Support in reporting: for all peer reviewed publications the following info needs to be submitted the metadata (authors, title, journal) a DOI (when available) a link to where the final publication is available (e.g. a publisher's website) a link to the repository where the full text has been deposited (e.g. PubMedCentral, arxive,...) 6

7 When reporting: For all peer reviewed publications resulting from the funding you will also be asked to indicate whether your publication is available in Open Access. Basically, answering "no" to this question is, at least for journal articles, not an option under H2020. Either the publication will be openly available through the publisher or through a repository. In the latter case make sure that your article is uploaded and in Open Access ('public accessibility') at the latest 6 months after publication (12 for SSH). We try to do what we can at this stage Use OpenAire EC-portal for easy access to EC-funded research Allows you to check what publications are the result of ECfunding o interesting in a consortium where you can see all relevant papers at one glance Allows you to check what the rate of Open Access publications is 7

10 Open Data Pilot why not join? this is your chance to give feedback to the EC on how feasible Open Data actually is you share only datasets linked to publications you can chose to share only specific datasets you can chose how to share: open to all, or through authorized access if provided in the proposal, costs are eligible you want to avoid nasty surprises during the project (no money for storage provided, no license to publish the data) you can opt-out during a project Open Data Pilot MUST: The underlying data needed to validate results presented in scientific publications, incl. associated metadata (i.e. metadata describing the research data deposited), as soon as possible, must be deposited in a research data repository OPTION: Any other data with associated metadata as laid down in the DMP (not published data, raw data) MUST: Must provide a data management plan (DMP) as deliverable by month 6 10
