9 Preface Purpose of this guide This guide explains how to administer External Viewing Services for SAP 6.0 (EVS for SAP 6.0). It provides task based instructions for managing the software. Intended audience In order to address the manuals to the correct audience, EMC Documentum defines the roles of the users of the manuals as follows: System Administrator This role covers users who install and configure EVS for SAP. The EVS for SAP application integrates EMC Documentum and the SAP R/3 system. Therefore, system administrators must have experience with the software products listed in the Software requirements section of the External Viewing Services for SAP Release Notes. EVS for SAP Administrator This role covers users who manage EVS for SAP using WebAdmin. Standard User This role covers users who view archived documents. This manual is intended for System Administrators. Revision history This section contains a description of this document s revision history. 13 Chapter 1 Introducing External Viewing Services for SAP Overview External Viewing Services for SAP integrates the EMC Documentum content management system with the SAP R/3 system. It is an interface to the SAP R/3 system based on SAP s standard DMS and ArchiveLink interfaces. EVS for SAP consists of the server components of Content Services for SAP. Additionally, External Viewing Services for SAP is dependent on Archive Services for SAP. Understanding the External Viewing Services for SAP Architecture, page 14provides more information. External Viewing Services for SAP provides the following functionalities: Archiving SAP data, reports, and documents through ArchiveLink certified interfaces in EMC Documentum. Configuring rendition services. Configuring EMC Documentum workflows. Configuring SAP queries. Replicating SAP objects to an EMC Documentum repository. Configuring agents and jobs. Accessing and displaying documents stored in an EMC Documentum repository from a variety of SAP modules. Viewing archived documents through Webtop. The Content Services for SAP server components consist of the following: Agent A component that provides automatic means of linking and replicating objects between SAP and EMC Documentum. WebAdmin (ASP based) An administrative console that allows you to: Perform archiving services. Using WebAdmin, you can perform the following archiving services: Create, configure, and manage archives Manage certificates for the archive Create repository connections for Content Services for SAP Create workflows and associate the same with archived documents Configure document archival for Content Services for SAP Perform Document Management System (DMS) related services. Archive Services for SAP consists of the following components: HTTP Archiving Services A server component that enables you to archive reports, data, incoming and outgoing documents from SAP to the Documentum repository using an HTTP connection to SAP. Archive Services is a J2EE servlet that communicates with SAP ArchiveLink. The reports and archived documents can later be retrieved and viewed through SAPGUI. RFC Archiving Services A server component that enables you to archive reports, data, incoming and outgoing documents from SAP to the EMC Documentum repository. The archived reports and documents can later be retrieved and viewed through SAPGUI and Documentum clients. This component uses SAP Remote Function Calls (RFCs) to communicate with SAP. The archived reports and documents can later be retrieved and viewed through SAPGUI and Documentum clients. This component uses SAP Remote Function Calls (RFCs) to communicate with SAP. Cross functional interface that is part of the SAP Basis System. ArchiveLink handles storing and retrieving documents and data to and from a repository external to SAP. Presents a logical layer to integrate with external systems like AutoCAD or EMC Documentum. Not directly related to ArchiveLink. Product Life Cycle Management (PLM). SAP PLM provides an integrated environment that ensures all people involved in product development, manufacturing, and service have quick and secure access to current information. It provides a set of BAPI calls that can be used by external systems like EMC Documentum. A set of master data, such as customer or vendor data, that is used in the creation of SAP documents. SAP Graphical User Interface. Graphical tool that connects a client to the SAP server. Paper based version of a document. Example 1 1. 21 Chapter 2 Administering Archive Services for SAP Overview This chapter describes how you can administer Archive Services for SAP. This chapter does not discuss the configuration of SAP; SAP needs to be configured to work with Archive Services for SAP. Information related to configuring SAP is available in the following guide: Configuring SAP R/3 for External Viewing Services for SAP. This chapter contains the following topics: Introducing WebAdmin, page 21 Configuring connections to SAP, page 50 Configuring HTTP archiving services, page 52 Configuring RFC archiving services, page 63 Configuring content addressed storage systems for Archive Services for SAP, page 41 Introducing WebAdmin Overview WebAdmin is a browser based tool that you can use to configure and administer Archive Services for SAP. Note: For this release, WebAdmin only supports Internet Explorer. This chapter describes: How you can log in to WebAdmin. Refer to Logging in to WebAdmin, page 46 The WebAdmin GUI. 22 Administering Archive Services for SAP Logging in to WebAdmin You need to log in to WebAdmin before you can use the it to configure Archive Services for SAP. To connect to WebAdmin: 1. Open you browser. 2. Type the following URL to access WebAdmin: number>/<archive Services for SAP virtual directory>/jsp/login.jsp <Archive Services for SAP virtual directory> refers to the virtual directory that you defined when installing Archive Services for SAP (refer to the Installing the application section of External Viewing Services for SAP Installation Guide). 3. From the Docbase drop down list, select the required repository. 4. In the Name field, type a valid user name for the selected repository. 5. In the Password field, type the corresponding password. 6. In the Domain field, type the domain name that the repository user is a member of. 7. From the Language drop down list, select the required language. 8. Click Log in. The initial page of WebAdmin is displayed. After completing your administrative tasks, you can disconnect from WebAdmin by clicking the Disconnect link. Note: By default, WebAdmin will disconnect automatically after 20 minutes of inactivity. However, this parameter can be customized: edit the value for the max_session_count parameter in dmcl.ini file. ArchiveLink Clicking the ArchiveLink button opens the ArchiveLink page in right pane. The ArchiveLink page allows you to configure RFC destination, archives, certificates, barcodes for Archive Link, and repositories. Configure, view, or edit the RFC destination. Refer to Configuring, viewing, and editing an RFC destination, page 63. Process barcoded documents and link them to SAP. Refer to Configuring barcodes, page 73 (HTTP) and Configuring barcodes, page 40 (RFC). 2. SAP Clicking the SAP button opens the SAP page in the right pane. The SAP page allows you to configure the SAP Servers and Users to be used by Content Services. The SAP page contains two tabs: Server User The various tasks that you can perform in these tabs are described in the following table: Table 3. 25 Administering Archive Services for SAP Configuring connections to SAP Before you can use Content Services Archive functionality, you must first configure the SAP server and user information in Archive Services for SAP. In order to communicate with both SAP and Documentum, Archive Services for SAP must know the server and user login details for each system. The Documentum login parameters are specified when the Archives are created; refer to Configuring, viewing, and editing archives, page 53 for more information. When Content Services for SAP connects to Documentum Content Server, it reads the SAP server and user configuration parameters from the repository. Content Services for SAP was designed so that you can configure multiple SAP servers and users. This allows Content Services to be used across multiple SAP application servers. It is recommended that you create a specific user in your SAP system for use with Content Services. The procedures in this chapter describe how to configure SAP servers and SAP users that will be used by the WebAdmin application to access SAP. The contents are: Creating an SAP Server. See Creating, viewing, and editing connections to an SAP server, page 25. Creating an SAP User. See Creating, viewing, and editing an SAP user, page 26. Creating, viewing, and editing connections to an SAP server Use the following procedure to create, view, or edit connections to an SAP server: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click SAP and ensure that the Server tab is open. 3. Choose Create a New Configuration from the Choose a Server: drop down list or choose the server that you want to view or edit. The SAP Server screen appears. 4. Enter a name for the Server In the New Server s Name: field. Default Server in the example. 5. 26 Administering Archive Services for SAP If you want to logon to an SAP server: Type the Host Name or IP Address for the Server. When an SAP router is used, fill in the complete SAP router string in the following format: /H/router1/H/<host_name_or_IP_address If you want to logon to an SAP group, which is associated with an SAP R/3 server, type the following in this field: MSHOST=<message_server_host> R3NAME=<SAP_system_ ID> GROUP=<SAP_group> 6. Enter the System Name and Number in the appropriate fields. 7. Click the appropriate button to Save, Cancel, Copy or Delete the SAP server configuration. Creating, viewing, and editing an SAP user Use the following procedure to create, view or edit an SAP user: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click SAP and ensure that the User tab is open. 3. Choose Create a New Configuration from the Choose a User: drop down list or choose the User that you want to view or edit. The SAP User Configuration window appears. 4. Enter a name for the user In the New User s Name: field. 5. Enter a password for the user. 6. Enter the Client Number. 100 in the example. 7. Choose the language from the drop down list. English in the example. 8. Click the appropriate button to Save, Cancel, Copy or Delete the SAP Server configuration. 27 Administering Archive Services for SAP This chapter does not discuss the configuration of SAP using SAPGUI; SAP needs to be configured first before it can work with Archive Services for SAP. Information related to configuring SAP is available in the following guide: Configuring SAP R/3 for External Viewing Services for SAP. The procedures in this chapter describe how to: Configure and administer archives. Refer to Configuring, viewing, and editing archives, page 53. Efficiently handle scanned single component SAP documents. Refer to Efficiently handling scanned single component SAP documents, page 30. Install and configure an SAP archive certificate. Refer to Working with SAP archive certificates, page 31. Create, view, and edit repository configurations. Refer to Configuring, viewing, and editing repository connections, page 53. Process barcoded documents and link them to SAP. Refer to Configuring barcodes, page 73. Manage temporary disk space in the Archive Services host. Refer to Managing temporary disk space in Content Services for SAP host, page 61. Configuring, viewing, and editing archives SAP uses named logical archives to specify target storage. Installations, typically, have a number of archives related to the different types of information which are archived. Example 2 1. Archive AA may be used to archive Print Lists from SAP. As an administrator, you may want to configure the Archive Services for SAP to archive Print Lists in the following Content Server directory: /SAP/Printlists. Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure Archive Services for SAP to archive outgoing documents in the following Content Server directory: /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents or data from SAP for each logical archive. All configuration objects created in WebAdmin are stored within the Content Server. Example 2 2. Each archive configuration, such as AA or BB, can be found in the following Documentum Content Server folder: /System/DocLink/SAP/Archive. 28 Administering Archive Services for SAP Before configuring an archive in Documentum, you must create a similar archive in SAP (refer to the OAC0 Defining a Logical ArchiveID in SAP section of the Configuring SAP R/3 for External Viewing Services for SAP document). After creating an archive in SAP, WebAdmin can be used to mirror the SAP configuration and define Content Server specific configuration options. To configure, view or edit archives: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. Ensure that the Archives tab is open. 3. From the Choose an Archive: drop down list: Select Create a New Configuration Or Select an existing archive to view or edit it. The archive configuration page opens in the right pane. Note: If you do not wish to create a new archive, you can also copy an existing archive and name it differently. To copy an archive, perform the following tasks: 1. Select an existing archive to edit it. 2. Click Copy. 3. In the Explorer User Prompt dialog box that appears, type a new name for the archive. 4. Click OK. The copied archive is now available for you to view or edit. Skip to step 5 to know what parameters can be configured for the archive. 4. If you are creating a new archive, in the New Archive s Name: field, type a name for the archive. Set to NONE (HTTP provided). Specifies the Documentum document type. Refer to Configuring the repository document type, page 56. The attribute map is used to define the Documentum attributes of an archived document. There is a special attribute FOLDER that can be configured. To specify the folder path, use the following format: ʺFOLDER=ʺ/SAP/Archive/AAʺ. Deleting archived and linked documents In a repository, if you delete version 1.0 of a document that is linked to SAP or archived from SAP, the link to SAP is also deleted. This is because the dm_relation object which creates the link to SAP is deleted when the parent object (which is always version 1.0) is deleted. We recommend that you do not delete the original version of objects that are linked to SAP if you want to maintain their link to SAP. 30 Administering Archive Services for SAP document, but want to keep the link to SAP, then, after deleting the document, you must relink the object to SAP, outside of Archive Services for SAP. Configuring the repository Document Type The value of the Document Type field defines the object type used to store the document in the repository. This object type must be a sub type of dm_document. Example 2 3. sap_print_list. Efficiently handling scanned single component SAP documents Archive Services for SAP efficiently archives single component, medium sized ( KB) SAP documents by processing them in memory, without using the disk. This processing method reduces the time taken to archive files. The ability to handle the files in memory is very useful when large volumes of single component SAP documents need to be archived. A typical example would be when a large number of invoices are batch scanned and then archived using Archive Services for SAP. To configure the maximum size of files that can be processed in memory, do the following: 1. In the al.properties file (available here: <Application Installation Root Directory>\webapps\archivelink\WEB INF), locate the following attribute: archiving.inmemory.maxsize=10 The default value is 10 KB. 2. Change the value of this attribute as per your needs. The maximum size of a single component SAP document that can be processed by Archive Services for SAP in memory is 2 GB. Note: Before you configure Archive Services for SAP to process documents as big as 2 GB in memory, verify if the existing memory can handle such loads. 30 EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide

31 Administering Archive Services for SAP Working with SAP archive certificates Archive Services for SAP uses an HTTP connection between the SAP server and the Web server (where Archive Services for SAP is installed). SAP R/3 uses this internet based protocol to send and receive information between R/3 and Content Server. However, before archiving can take place, a digital certificate must be generated from R/3 and installed in Content Server. This certificate is used by Archive Services for SAP to validate: That the request parameters have not been altered/corrupted in transmission. The identity of the R/3 server sending or receiving information. If digital certificates are not used, it would be possible for non authorized persons to spoof the Content Server into returning information that they are not allowed to access. A different certificate is used for each archive. So, archives AA, BB, and CC would each have their own certificate which is used when transferring information between R/3 and Archive Services for SAP. Certificates are not created directly in WebAdmin. They are passed to Archive Services for SAP (and into the Content Server) when a certificate is sent from SAP. However, before they can be used, WebAdmin must be used to activate the certificate and set an expiry date. This section describes how to transmit and activate an HTTP archive. Sending certificates to HTTP Content Server After creating an HTTP archive in SAP (using transaction code oac0), you can use SAP transaction oaht to send archive certificates to Archive Services for SAP. Clicking Execute transmits the certificate to Archive Services for SAP. If an error stating HTTP Error: 403 Access Forbidden is displayed, this may be because: the Web server is not running the archive parameters are incorrect. Note: The server may not be able to translate a host name into an IP address. Try using the IP address instead. If the certificate is successfully transmitted, it will be listed in the Certificates tab of WebAdmin. Tip: The first three characters of the certificate name are the system name of the SAP server that sends the certificates. If this field is blank, this is probably because the archive configuration object has not been created in WebAdmin yet. Before a certificate can be used, it must be activated and set with an expiration date. This ensures that a controlled procedure is followed before a system can archive information into Content Server. Activating and customizing certificates To activate and customize certificates: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. 3. Click the Certificates tab. 4. From the Choose a Certificate drop down list, select an existing certificate. 5. In the Status drop down list, do one of the following: To activate the certificate, select Activate. To deactivate the certificate, select Deactivated. Note: A certificate must be active for repository access. 6. In the Expiration field, select the date on which the certificate will expire. 7. Review the information in the Certificate Parameters section. 8. To save the certificate settings, click Save. Configuring, viewing, and editing repository connections To configure, view, and edit a repository connection: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. 3. Click the Repositories tab. 4. From the Choose a Docbase drop down list: Select Create a new configuration. Or Select an existing repository connection. In the User Password field, type the corresponding password for the user name. 8. In the Domain field, type the domain name that the user is a member of. 9. Click Create. 10. To test the newly created repository connection, click the Test Connection button. An information message appears below the Test Connection button, indicating that the repository connection has been tested successfully. 11. To save the repository connection configuration, click Save. Or To delete the repository connection configuration, click Delete. Configuring barcodes You will need configure the following before configuring barcodes: To enable archiving, an RFC destination has to be configured. Before configuring a Barcode for an Archive, the Archive has to be configured You may want to use barcodes to identify and link documents in the repository with records in SAP. You may also use a custom attribute to store the barcode. The barcode may be a unique number assigned to the document when it is received. This unique number can be written on the document in front of a barcode or in plain text. When the document is posted in SAP, the user may just type in the number or use a barcode reader. When the document is scanned in the barcode is automatically recognized (by a third party solution) and the value is stored in the custom barcode attribute. Note: The document may also be scanned in before it is posted in SAP (early archiving). For example, in late archiving, documents are scanned and stored in a Documentum repository after an SAP document has been processed. In other words, the SAP document is posted as usual by transferring the data from the original paper document to the system. The original paper document is forwarded to an input location, where it is scanned and then assigned to the SAP document based on a barcode. A typical scenario for implementing barcode support is in late archiving with barcodes. The scenario is: 1. The image is scanned. 2. The barcode is recognised (by third party software). The image is forwarded onto the Archive Server by using a dm_router workflow to distribute the image to the Archive Server s inbox. 5. The Archive Server uses the WebAdmin configured barcode list to determine which attribute contains the barcode number. 6. The Archive Server passes the image information and barcode number onto SAP for linking to the relevant SAP object. Use the following procedure to configure barcodes: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Barcodes tab is open. The Barcodes screen appears. 3. The following parameters can be configured: Table 5. These locally cached files are managed by DMCL, and an algorithm implemented in DMCL determines when the files are cleaned up. If dmcl.ini is not configured appropriately, the disk may reach its default maximum capacity at some point. 35 Administering Archive Services for SAP The local_diskfull_limit attribute specifies the maximum disk space assigned for storing locally cached files, and is expressed as a percentage between 1 and 100. For more information on specifying appropriate values for the local_diskfull_limit attribute, refer to Support Note in the EMC Documentum Support Center ( Configuring RFC archiving services Overview When configuring Archive Services, you can configure either an HTTP based Archive Server or an RFC (Remote Function Call) Archive Server. By default, it is recommended that new installations are based upon the HTTP based Archive Server. The primary reason is that SAP will focus future development at the HTTP based archive protocol. This chapter describes configuring with an RFC (Remote Function Call) Archive Server. This chapter does not cover the SAP side configuration required to install and configure the archive interface. This can be found in Configuring SAP R/3 for Content Services for SAP. The procedures in this chapter describe how to: Configure the RFC Destination. Refer to Configuring, viewing, and editing an RFC destination, page 63. Configure Archives. Refer to Configuring, viewing, and editing archives, page 65. Note: When viewing the ʺArchivelinkʺ section in WebAdmin, you will see a tab called ʺCertificates.ʺ This section is not used when configuring or using RFC based archives. Configure barcodes. Refer to Configuring barcodes, page 40. Note: When viewing the ʺArchive Linkʺ section in WebAdmin, you will see that a tab called ʺCertificates.ʺ This section is not used when configuring or using RFC based archives. Configuring, viewing, and editing an RFC destination Documentum Content Services archive uses SAP RFC (Remote Function Call) to communicate with SAP. 36 Administering Archive Services for SAP Content Services Archive software can connect to the SAP server to register itself as an SAP RFC Destination. Use the following procedure to configure, view or edit the RFC destination: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the RFC Destination tab is open. 3. Choose Create a New Configuration from the Choose a Job: drop down list or choose an existing RFC Destination name to view or edit. The ArchiveLink RFC Destination screen appears. 4. The following parameters can be configured: Table 6. This path must correspond to ArchiveLink configuration in SAP system (refer to Configuring SAP R/3 for Content Services for SAP for more information about configuring the SAP system). If the ArchiveLink program is installed on a different server than R/3, then you must mount the corresponding directories with NFS. On the ArchiveLink server, this directory is mounted as /net/sap/spool. In this case, you must enter /net/sap/spool in this field. If the ArchiveLink program runs on the same server as the SAP system, the configured value must match the R/3 configured value. Note: On Windows NT the path names must be specified with the NT specific path notation (You can use the absolute path (for example \\sap46\sapshare) or a drive letter (for example M:\). It is very important that the shared directory is mapped from the SAP server as the same user under which the Content Services Archive processes run. 5. Click the appropriate button to Save or Cancel the RFC Destination configuration. Configuring, viewing, and editing archives SAP uses named logical archives as a mechanism to specify target storage. Installations will typically have a number of archives relating to different types of information which will be archived. For example: Archive AA may be used to archive printlists from SAP. As an administrator, you may want to configure the system to store printlists within the Documentum Content Server folder /SAP/Printlists. Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure the system to store outgoing documents within the Documentum Content Server folder /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents/data from SAP. As shown above, this may be simply to store different types of information in different locations for better housekeeping. However, it may also be desirable to specify access permissions, initiate workflows, or define whether received documents should be rendered into formats such as HTML and PDF. 38 Administering Archive Services for SAP All configuration objects created in WebAdmin are stored within the Documentum Content Server. For example, each archive configuration (e.g. AA, BB) can be found in the Documentum Content Server folder /System/DocLink/SAP/Archive. Before configuring an archive in WebAdmin, you must first create the archive in SAP. When this has been done, WebAdmin can be used to mirror the SAP configuration and define Documentum Content Server specific configuration options. To configure the relationship between a repository folder and an SAP Archive: Use the following procedure to configure, view or edit the archives: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Archives tab is open. 3. Choose Create a New Configuration from the Choose an Archive: drop down list or choose an existing Archive to view or edit. The ArchiveLink Archive Configuration screen appears. 4. Enter a name for the Archive In the New Archive s Name: field. 5. The following parameters can be configured: Table 7. After the installation, there are three preconfigured archives for ALF (sap_print_list, stored in Archive AA), OTF (PDF, stored in archive BB) and REO (sap_archive, stored in archive CC). Configuring content addressed storage systems for Archive Services for SAP Overview Archive Services for SAP provides dedicated support for retention management using EMC s content addressed (CA) storage system, EMC Centera. Certain industries, like the pharmaceutical industry, are required, by law, to retain and preserve all product related documentation for a stipulated period of time. This is a strictly enforced, non negotiable clause that firms are expected to comply with. To automate this process of retention management, Archive Services for SAP has been integrated with Centera, EMC s Content Addressed storage system. This integration allows firms using both Centera and Archive Services for SAP, to archive stipulated content: Based on specific attributes like dates, and so on For specific periods of time, as required by law In a foolproof manner that ensures the content cannot be tampered with during the archival period You can configure Archive Services for SAP to archive specific content in Centera. You can configure Archive Services for SAP to use different Centera systems for different archives. These archives map to SAP document types in SAP. This feature is particularly useful when you need to archive documents which have different retention period requirements. The integration of Archive Services for SAP with EMC Centera allows you to automate this customized archiving process. 42 Administering Archive Services for SAP To configure CA storage systems for Archive Services for SAP, you must: 1. Create content addressed storage types using DA. Refer to Creating content addressed storage types Using DA, page Set Centera related attributes in EVS for SAP. Refer to Setting Centera related attributes in Archive Services for SAP, page 43. Creating content addressed storage types Using DA To configure Archive Services for SAP for Centera, you must create a CA storage type using Documentum Administrator (DA). Before you configure Archive Services for SAP for Centera, Content Storage Services (available in Content Server SP2 and higher) must be enabled. For more information on enabling Content Storage Services, please refer to the Using Content Assignment Policies and Moving Content Files sections of the Content Server Administrator s Guide. Note: The retention settings for storage types in Documentum Administrator (DA) allow you to specify only a fixed date. You cannot specify a period relative to document ingestion; such a setting would conflict with the settings in WebAdmin (refer to Setting Centera related attributes in Archive Services for SAP, page 43). DA 5.3 runs on Tomcat 5, which can be shared with the ArchiveLink servlet. DA SPx runs on Tomcat 4.x, which requires a separate installation of Tomcat. For more information on creating CA storage types using DA, please refer to the Documentum Administrator User Guide. Creating content addressed stores To create a content addressable store, you must have a license for Content Services for EMC Centera and this feature must be enabled in the Content Server installation containing the repository for which you are creating the store. You must also know the IP address of the EMC Centera Content Addressable Storage System to set up content addressable storage. A repository can have multiple content addressable stores. For ease of administration, maintenance, and management, it is recommended that you use the same plug in for all of the content addressable stores. 42 EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide

43 Administering Archive Services for SAP To create a content addressable store: 1. Connect to the repository for which you want to create a new content addressed store. 2. Click Storage. 3. Click File New Content Addressable Storage. 4. Type the name of the new content addressed store. 5. Click Edit. 6. In the Enter new value field, type the IP address of the EMC Centera content addressable Storage System. Do not enter other parameters or values. 7. Click Add. 8. Click Ok. 9. To enable a content retention period, check Set Retention Information. a. Type in the retention attribute name. The value you enter must be one of the values specified as a content attribute name in step d. b. Choose Application must provide value for retention attribute; this allows a client application to supply the retention date when content is saved. 10. Click Finish. Setting Centera related attributes in Archive Services for SAP You must set the following Centera related attributes in Archive Services for SAP: a_storage_type a_retention_date To set the a_storage_type and a_retention_date attributes in Archive Services for SAP: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. Ensure that the Archives tab is open. 3. From the Choose an Archive: drop down list: Select Create a New Configuration. From the Rule composer drop down list, select a_storage_type. 5. In the text box against the Rule composer drop down list, type the name of the CA store as configured in DA. Refer to Creating content addressed storage types Using DA, page Move the composed rule to the Defined map rules field: click the arrow icon below the Rule composer drop down list. 7. From the Rule composer drop down list, select a_retention_date. 8. In the text box against the Rule composer drop down list, type a value for a_retention_date. The value assigned to the a_retention_date attribute is the desired retention period, in days, from the date of ingestion. Example 2 4. Type 365 in this field; this means that the documents will be stored in the archive for one year, from the date of archival. 9. Move the composed rule to the Defined map rules field: click the arrow icon below the Rule composer drop down list. 10. Type appropriate values for all other fields in the archive configuration page. 11. To save the a_retention_date setting for the archive, and other archive settings, click Save. The initial page of WebAdmin is displayed. After completing your administrative tasks, you can disconnect from WebAdmin by clicking the Disconnect button. Note: By default, WebAdmin will disconnect automatically after 20 minutes of inactivity. The number of tabs will vary according to the function served by the page. The Documentum page has two tabs to let you define Documentum Queries and Workflows. The SAP page has three tabs to let you define SAP Queries and configure SAP Servers and Users to be used by Content Services. The Actions page lets create Content Services Actions which perform document linking, data replication, and integrity checking functions. 50 Introducing the password administration tool The DmPasswordAdministrator password utility enables you to change your the Agent component and RFC Archive passwords to match your EMC Documentum password. This is essential for synchronizing the password used by Documentum repositories and Content Services for SAP modules. When you install Content Services for SAP Agent and Archive modules, you must enter your Documentum user name and password. This is password is encrypted and stored in registry. If you subsequently change your Documentum password you can use the DmPasswordAdministrator utility to update your password in the registry. The key used for the Content Services for SAP RFC Archive password is HKEY_LOCAL_MACHINE/SOFTWARE/Documentum/Doclink/Archive/Docbase/ The key used for the Content Services for SAP Agent password is HKEY_LOCAL_ MACHINE/SOFTWARE/Documentum/DocLink/Agent/Docbase/<name_of_repository>/ docbase_password. To use the password administration tool: 1. At the command prompt, cd to the directory where Agent and Archive are installed. By default this is C:\Documentum\Doclink. 2. At the C:\Documentum\Doclink command prompt, enter: dmpasswordadministrator The usage instructions appear on the screen. 3. To change the password for Agent or RFC archive, enter: dmpasswordadministrator <keypathname> <keyname> <password> docbase_password <encrypt> The keypathname is the registry path for Agent referenced above. Allowed values for encrypt are true or false. If <encrypt> is set to true, the application encrypts it and updates it in the registry. Any new requests will use the updated values. Configuring connections to SAP Before you can use Content Services Archive or Agent functionality, you must first configure the SAP server and user information in Content Services for SAP. 50 EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide

51 In order to communicate with both SAP and Documentum, Content Services for SAP must know the server and user login details for each system. The Documentum login parameters are specified when the Archive or Agent services are created; refer to Configuring, viewing, and editing archives, page 53 and Creating, viewing, and editing an Agent, page 104. When Content Services for SAP connects to Documentum Content Server, it reads the SAP server and user configuration parameters from the repository. Content Services for SAP was designed so that you can configure multiple SAP servers and users. This allows Content Services to be used across multiple SAP application servers. It is recommended that you create a specific user in your SAP system for use with Content Services. The procedures in this chapter describe how to configure SAP servers and SAP users that will be used by the WebAdmin application to access SAP. The contents are: Creating an SAP Server. See Creating, viewing, and editing connections to an SAP server, page 51. Creating an SAP User. See Creating, viewing, and editing an SAP user, page 52. Creating, viewing, and editing connections to an SAP server Use the following procedure to create, view, or edit connections to an SAP server: 1. Connect to WebAdmin. Choose Create a New Configuration from the Choose a User: drop down list or choose the User that you want to view or edit. The SAP User Configuration window appears. 4. Configuring HTTP archiving services Overview Note: Content Services for SAP does not include the HTTP archiving services component; this component has been moved to Archive Services for SAP. The instructions contained in this section are relevant only if you have parallel installations of Content Services for SAP 5.3 SP3 and Archive Services for SAP in your environment. When configuring Content Services, you can configure either an HTTP based Archive Server or an RFC (Remote Function Call) Archive Server. By default, it is recommended that new installations are based upon the HTTP based Archive Server. 53 This chapter describes configuring with an HTTP Archive Server. This chapter does not cover the SAP side configuration required to install and configure the archive interface. Configuring, viewing, and editing repository connections Before you start working with archives, you must configure repository connections. For information on this topic, refer to the Configuring, viewing, and editing repository connections section of the Archive Services for SAP Administration Guide. Configuring, viewing, and editing archives SAP uses named logical archives as a mechanism to specify target storage. Installations will typically have a number of archives relating to different types of information which will be archived. For example: Archive AA may be used to archive printlists from SAP. As an administrator, you may want to configure the system to store printlists within the Documentum Content Server folder /SAP/Printlists. Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure the system to store outgoing documents within the Documentum Content Server folder /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents/data from SAP. As shown above, this may be simply to store different types of information in different locations for better housekeeping. However, it may also be desirable to specify EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide 53

54 access permissions, initiate workflows, or define whether received documents should be rendered into formats such as HTML and PDF. All configuration objects created in WebAdmin are stored within the Documentum Content Server. For example, each archive configuration (e.g. AA, BB) can be found in the Documentum Server folder /System/DocLink/SAP/Archive. Before configuring an archive in WebAdmin, you must first create the archive in SAP. When this has been done, WebAdmin can be used to mirror the SAP configuration and define Documentum Content Server specific configuration options. To configure the relationship between a repository folder and an SAP archive: Use the following procedure to configure, view or edit the Archives: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Archives tab is open. 3. Choose Create a New Configuration from the Choose an Archive: drop down list or choose an existing Archive to view or edit. The ArchiveLink Archive Configuration screen appears. 4. Custom Filter Built in Filters Service based Business objects (SBO) There is a special attribute FOLDER that can be configured. If nothing is specified the document is stored in the default cabinet. To specify the folder path, use the same format string as for the Agent attribute maps. Example: ʺFOLDER=ʺ/SAP/Archive/AAʺ. Specifies a server method that is executed when a document is stored. This allows you to filter attributes and to do additional tasks when a document is saved. See Specifying a custom filter, page 56. Allows you to specify what filters are applied to convert the ALF format into PDF, ASCII or HTML. Requires Sap Doc type to be sap_print_list. See Specifying a built In filter, page 56. Allows you to customize archived object behavior. These items are further explained in the following sections. 6. Click the appropriate button to Save or Cancel the archive configuration. Deleting archived and linked documents In a repository, if you delete version 1.0 of a document that is linked to SAP or archived from SAP, the link to SAP is also deleted. This is because the dm_relation object which creates the link to SAP is deleted when the parent object (which is always version 1.0) is deleted. We recommend that you do not delete the original version of objects that are linked to SAP if you want to maintain their link to SAP. If you need to delete version 1.0 of a document, but want to keep the link to SAP, then, after deleting the document, you must relink the object to SAP, outside of Content Services for SAP. 56 Configuring the repository document type The value of the Document Type field defines the object type used to store the document in the repository. The default format is sap_archive. This object type must be a sub type of dm_document, for example, dm_doc_ebr. If you use filters that extract additional attributes, this parameter must be set to the corresponding Documentum document type. Specifying a workflow name A simple workflow can also be defined using WebAdmin. See Documentum workflows, page 80. Specifying a custom filter (Optional) Type the name of a custom filter here. A custom filter is usually a Docbasic or Java program that is stored as content of a specific method (dm_method). For example, a custom filter may parse the archived file and extract attributes from the document content. The attributes are then passed back to the Content Services Archive software and stored as custom attributes. Or, a custom filter can create queries to attach other documents (such as SOPs) as virtual components to the archived document. Custom filters have to be marked with a leading exclamation mark if they are external executables and not dm_methods. The complete path to the executable has to be provided after the exclamation mark. For example:!c:\production\extract_keys.exe Specifying a built In filter Using existing Documentum filters, you can define additional actions performed when a PrintList is archived. The following filters are currently implemented: make_pdf: A PDF rendition is generated by the Content Services software and added to the archived PrintList. 57 make_text: An ASCII Text rendition is generated by the Content Services Archive software and added to the archived PrintList. make_html: An HTML rendition is generated by the Content Services Archive software and added to the archived PrintList. If a built in filter is used, the desired document rendition is generated when the PrintList is stored in the Documentum Content Server. Alternatively, it is possible to configure the Documentum Content Server with a number of server filters to convert SAP Printlists (ALF) to XML for final output to HTML, text, and PDF formats upon demand (ʺon the flyʺ). These filters ship with Content Services for SAP and can be installed in the Documentum Content Server by the system administrator. Using on demand rendering reduces the initial storage requirements needed to store. Refer to Installing Content Services for SAP for details on how to install the server transformation filters. Implementing external filters The filter mechanism allows you to customize Content Services Archive. You can write a filter program that parses the file to be archived and extracts special attributes for storage with the archived document. The filter can be written in any programming or scripting language (Docbasic, C, C++, Perl, etc.). It must be configured in the document profile with the Custom Filter Method parameter (see previous section). The filter gets a number of arguments on the command line and it writes the result back to the Content Services Archive process. For performance reasons, the filter does not need to access the repository (but it is possible if really needed). The filter is called with the following command line parameters: path dm_doc_type dm_archive object_id repository_name repository_user repository_password The parameters are: path: Full path of the ASCII text rendition of the file to be archived. Example: /tmp/s txt dm_doc_type: SAP document type for which this filter is defined. Example: ALF dm_archive: SAP archive ID. Example: AA. object_id: Document ID of the document created in the repository. Example: 09001edc800003af. repository_name: Name of the current repository. This parameter is used when the filter has to connect to the repository. repository_user: Name of the repository user. repository_password: Password for the repository user. 58 The filter passes the result back simply by writing to the standard output. Additionally, it must return 0 (zero) when the program exits. For example: Table 12. The attribute must exist for the object type used. By default the object type is dm_document. If additional attributes must be stored, you must define a new sub type of dm_document and define the attributes the filter uses. Use the configuration parameter SAP Obj Type when using a filter with different object types. Example: set,object_name,pi Sheet virtual,<obj type> where <qualification>: Allows you to specify a query that selects documents to attach to the archived document as virtual components. Example: virtual,dm_document where title like SOP 4711%. error,<error message>: If the filter wants to report an error. We recommend storing the error on the first line of the file. The error message is written to the log file and the operator is notified. Example: error,cannot open file Example: PI sheet This example creates a custom filter which extracts specific attributes from archived documents. This example uses the PI Sheet filter that was installed with the Content Services Archive software. It assumes that a second filter was installed for Inspection Lots. This filter looks similar to the PI Sheet filter but is not explained here. This example is already installed and configured so it is not required to perform the steps explained here. The purpose of the following customization is to extract some document attributes from an archived PI sheet. These document attributes will enable standard Documentum queries to find the PI sheet again. This profile is applied when a document of the SAP document type ALF is archived to the archive PI. a. Define Document Type as dm_pi_sheet b. Define Document Format and SAP Retrieve Format as sap_print_list. c. Activate the Built In Filter parameter as make_pdf or make_html if required. d. Define Custom Filter Method as dm_filter_pisheet. 61 Check attributes and renditions to verify that the filter implementation worked correctly. Customizing Platforms using Service based Business Objects Follow this procedure to customize platforms using service based business objects (SBOs). 1. Login to CSSAP webadmin and navigate to the archivelink configuration. 2. Select Edit Archive Configuration. 3. Select Execute SBO. 4. Enter the SBO service name and save. 5. Archive a document to the content repository from SAP. The customized SBO functionality is now available. Managing temporary disk space in Content Services for SAP host When as SAP file archive file is accessed, the Content Services for SAP application fetches the file to the local disk and the starts streaming the content back to SAP. These locally cached files are managed by DMCL, and an algorithm implemented in DMCL determines when the files are cleaned up. If dmcl.ini is not configured appropriately, the disk may reach its default maximum capacity at some point. In order to avoid choking the disk space with these temporary files, modify the local_diskfull_limit attribute of the dmcl.ini file. The local_diskfull_limit attribute specifies the maximum disk space assigned for storing locally cached files, and is expressed as a percentage between 1 and 100. For more information on specifying appropriate values for the local_diskfull_limit attribute, refer to Support Note in the EMC Documentum Support Center ( To configure when EMC Documentum should warn you about an impending shortage of disk space, modify the local_diskfull_warn attribute. 62 Configuring HTTP barcodes for archive linking In the RFC Archive implementation, it is possible to configure the archive server to directly process barcoded documents and link them to SAP. In the HTTP archive scenario, this functionality must be performed by the Agent services. A typical scenario for implementing barcode support is in late archiving with barcodes. The scenario is: 1. The image is scanned. 2. The barcode is recognised (by third party software). 3. The barcode is stored as a number in an object attribute (by third party software). 4. The Archive Server uses a WebAdmin configured Documentum Query to determine which objects contain barcode numbers. If a custom object type was created for the barcoded images, you must create a new Documentum query which has a ʺselectʺ statement that contains the custom attribute. For example: select r_object_id,object_name,r_creation_date,barcode_number from sap_incoming_invoice where folder('/sap/archive/incoming') 5. The Archive Server passes the image information and barcode number onto SAP for linking to the relevant SAP object. In the HTTP Archive Scenario, barcode linking can be implemented by using the Agent services to link documents to SAP. To implement this, a Link Documentum Agent rule should be created. This would use the SAP object type Bar code SAP as the link type. If the ArchiveLink program is installed on a different server than R/3, then you must mount the corresponding directories with NFS. The configured value in the SAP Client Path field must specify the path as seen from the server where the ArchiveLink program runs. For example, in SAP the client path may be configured as /export/spool/. On the ArchiveLink server, this directory is mounted as /net/sap/spool. 65 Fieldname Description If the ArchiveLink program runs on the same server as the SAP system, the configured value must match the R/3 configured value. Note: On Windows NT the path names must be specified with the NT specific path notation (You can use the absolute path (for example \\sap46\sapshare) or a drive letter (for example M:\). It is very important that the shared directory is mapped from the SAP server as the same user under which the Content Services Archive processes run. 5. Click the appropriate button to Save or Cancel the RFC Destination configuration. Configuring, viewing, and editing archives SAP uses named logical archives as a mechanism to specify target storage. Installations will typically have a number of archives relating to different types of information which will be archived. For example: Archive AA may be used to archive printlists from SAP. As an administrator, you may want to configure the system to store printlists within the Documentum Content Server folder /SAP/Printlists. Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure the system to store outgoing documents within the Documentum Content Server folder /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents/data from SAP. As shown above, this may be simply to store different types of information in different locations for better housekeeping. However, it may also be desirable to specify access permissions, initiate workflows, or define whether received documents should be rendered into formats such as HTML and PDF. All configuration objects created in WebAdmin are stored within the Documentum Content Server. For example, each archive configuration, such as AA or BB, can be found in the Documentum Content Server folder /System/DocLink/SAP/Archive. Before configuring an archive in WebAdmin, you must first create the archive in SAP. When this has been done, WebAdmin can be used to mirror the SAP configuration and define Documentum Content Server specific configuration options. 66 To configure the relationship between a repository folder and an SAP Archive: Use the following procedure to configure, view or edit the archives: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Archives tab is open. 3. Choose Create a New Configuration from the Choose an Archive: drop down list or choose an existing Archive to view or edit. The ArchiveLink Archive Configuration screen appears. 4. Enter a name for the Archive In the New Archive s Name: field. 5. The following parameters can be configured: Table 14. 67 Fieldname Attribute Map Description The attribute map is used to define the Documentum attributes of an archived document. Custom Filter Built in Filters There is a special attribute FOLDER that can be configured. If nothing is specified the document is stored in the default cabinet. To specify the folder path, use the same format string as for the Agent attribute maps. Example: ʺFOLDER=ʺ/SAP/Archive/AAʺ. In the Attribute map, you can also specify: ʺr_object_type=ʺdm_documentʺʺ ʺa_content_type=ʺsap_print_listʺʺ ʺacl_domainʺ ʺacl_nameʺ. These items are further explained in the following sections. Specifies a server method that is executed when a document is stored. This allows you to filter attributes and to do additional tasks when a document is saved. See Specifying a custom filter, page 56. Allows you to specify what filters are applied to convert the ALF format into PDF, ASCII or HTML. Requires Sap Doc type to be ALF. See Specifying a built In filter, page Click the appropriate button to Save or Cancel the Archive configuration. Note: When as SAP file archive file is accessed, the Content Services for SAP application fetches the file to the local disk and the starts streaming the content back to SAP. These locally cached files are managed by DMCL, and an algorithm implemented in DMCL determines when the files are cleaned up. If dmcl.ini is not configured appropriately, the disk may reach its default maximum capacity at some point. In order to avoid choking the disk space with these temporary files, modify the local_diskfull_limit attribute of the dmcl.ini file. 68 The local_diskfull_limit attribute specifies the maximum disk space assigned for storing locally cached files, and is expressed as a percentage between 1 and 100. When the size of these temporary files reaches the defined limit, getfiles to the local disk fail with an error. In order to overcome this issue, set the local_diskfull_limit to 75. Configuring the SAP document type The SAP Document Type indicates what SAP Type is archived in the configured archive. After the installation, there are three preconfigured archives for ALF (sap_print_list, stored in Archive AA), OTF (PDF, stored in archive BB) and REO (sap_archive, stored in archive CC). Configuring the repository document type The value of the Document Type field defines the object type used to store the document in the repository. The default format is sap_archive. This object type must be a sub type of dm_document, for example, dm_doc_ebr. If you use filters that extract additional attributes, this parameter must be set to the corresponding Documentum document type. Specifying a workflow name A simple workflow can also be defined using WebAdmin. See Documentum workflows, page 80. Specifying a custom filter (Optional) Type the name of a custom filter here. A custom filter is usually a Docbasic program that is stored as content of a specific method (dm_method). For example, a custom filter may parse the archived file and extract attributes from the document content. The attributes are then passed back to the Content Services Archive software and stored as custom attributes. Or, a custom filter can create queries to attach other documents (such as SOPs) as virtual components to the archived document. 68 EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide

69 Custom filters have to be marked with a leading exclamation mark if they are external executables and not dm_methods. The complete path to the executable has to be provided after the exclamation mark. For example:!c:\production\extract_keys.exe Specifying a built in filter Using existing Documentum filters, you can define additional actions performed when a PrintList is archived. The following filters are currently implemented: make_pdf: A PDF rendition is generated by the Content Services Archive software and added to the archived PrintList. To create a PDF rendition, you may want to define parameters to control how the rendition is formatted. make_text: An ASCII Text rendition is generated by the Content Services software and added to the archived PrintList. make_html: An HTML rendition is generated by the Content Services software and added to the archived PrintList. If a built in filter is used, the desired document rendition is generated when the PrintList is stored in the Documentum Content Server. Alternatively, it is possible to configure the Documentum Content Server with a number of server filters to convert SAP Printlists (ALF) to XML for final output to HTML, text, and PDF formats upon demand (ʺon the flyʺ). These filters ship with Content Services for SAP and can be installed in the Documentum Content Server by the system administrator. Using on demand rendering reduces the initial storage requirements needed to store. Refer to the Installing Content Services for SAP for details on how to install the server transformation filters. Implementing external filters The filter mechanism allows you to customize Content Services Archive. You can write a filter program that parses the file to be archived and extracts special attributes for storage with the archived document. The filter can be written in any programming or scripting language, such as Docbasic, C, C++, and Perl. It must be configured in the document profile with the Custom Filter Method parameter (see previous section). The filter gets a number of arguments on the command line and it writes the result back to the Content Services Archive process. For performance reasons the filter does not need to access the repository (but it is possible if really needed). 70 path dm_doc_type dm_archive object_id repository_name repository_user repository_password The parameters are: path: Full path of the ASCII text rendition of the file to be archived. Example: /tmp/s txt dm_doc_type: SAP document type for which this filter is defined. Example: ALF dm_archive: SAP archive ID. Example: AA object_id: Document ID of the document created in the repository. Example: 09001edc800003af repository_name: Name of the current repository. This parameter is used when the filter has to connect to the repository. repository_user: Name of the repository user. repository_password: Password for the repository user. The filter passes the result back simply by writing to the standard output. The program must return ʺ0ʺ when it exits. For example: Table 15. External filters Language Docbasic C Syntax print... fprintf(stdout,... ) C++ cout <<... ) The following parameters allow the filter to pass results back to Content Services Archive: set,<any attribute name>,<value>: Defines an attribute with a given value. The attribute must exist for the object type used. By default the object type is dm_document. If additional attributes must be stored, you must define a new sub type of dm_document and define the attributes the filter uses. Use the configuration parameter SAP Obj Type when using a filter with different object types. Example: set,object_name,pi Sheet virtual,<obj type> where <qualification>: Allows you to specify a query that selects documents to attach to the archived document as virtual components. Example: virtual,dm_document where title like SOP 4711%. error,<error message>: If the filter wants to report an error. We recommend storing the error on the first line of the file. 71 Example: PI sheet This example creates a custom filter which extracts specific attributes from archived documents. This example uses the PI Sheet filter that was installed with the Content Services Archive software. It assumes that a second filter was installed for Inspection Lots. This filter looks similar to the PI Sheet filter but is not explained here. This example is already installed and configured so it is not required to perform the steps explained here. The purpose of the following customization is to extract some document attributes from an archived PI sheet. These document attributes will enable standard Documentum queries to find the PI sheet again. 73 6. Configure the archive PI in SAP. Make sure PI Sheets are archived to this archive. 7. Create a profile object (dm_al_profile) called ALF PI. This profile is applied when a document of the SAP document type ALF is archived to the archive PI. a. Define Document Type as dm_pi_sheet b. Define Document Format and SAP Retrieve Format as sap_print_list. c. Activate the Built In Filter parameter as make_pdf or make_html if required. d. Define Custom Filter Method as dm_filter_pisheet. Note: This step is very important. 8. Test your customized filter by archiving a PI Sheet. Check attributes and renditions to verify that the filter implementation worked correctly. Configuring barcodes You will need configure the following before configuring barcodes: To enable archiving, an RFC destination has to be configured. Before configuring a Barcode for an Archive, the Archive has to be configured. You may want to use barcodes to identify and link documents in the repository with records in SAP. You may also use a custom attribute to store the barcode. The barcode may be a unique number assigned to the document when it is received. This unique number can be written on the document in front of a barcode or in plain text. When the document is posted in SAP, the user may just type in the number or use a barcode reader. When the document is scanned in the barcode is automatically recognized (by a third party solution) and the value is stored in the custom barcode attribute. Note: The document may also be scanned in before it is posted in SAP (early archiving). For example, in late archiving, documents are scanned and stored in a Documentum repository after an SAP document has been processed. In other words, the SAP document is posted as usual by transferring the data from the original paper document to the system. The original paper document is forwarded to an input location, where it is scanned and then assigned to the SAP document based on a barcode. A typical scenario for implementing barcode support is in late archiving with barcodes. EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide 73

74 The scenario is: 1. The image is scanned. 2. The barcode is recognised (by third party software). 3. The barcode is stored as a number in an object attribute (by third party software). 4. The image is forwarded onto the Archive Server by using a dm_router workflow to distribute the image to the Archive Server s inbox. 5. The Archive Server uses the WebAdmin configured barcode list to determine which attribute contains the barcode number. 6. The Archive Server passes the image information and barcode number onto SAP for linking to the relevant SAP object. Use the following procedure to configure barcodes: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Barcodes tab is open. The Barcodes screen appears. 3. The following parameters can be configured: Table 16. Configuring the Agent component The Agent component substantially improves productivity, information integrity, and information availability by automating the linking process between SAP objects and documents, and the maintenance of those links. 75 Instead of using administrative personnel to link thousands of existing CAD drawings to SAP Material Masters so they will be available on the factory floor from within SAP you can automatically batch link them in an overnight run. Attribute information from scanned invoices can be automatically replicated from SAP to Documentum, providing non SAP users with searchable access to invoices without having to learn SAPGUI. The following are all described in this chapter: Agent services Overview. See Overview, page 75. Configuring Queries and Workflows How to configure both SAP and Documentum queries as well as Documentum workflows. See Configuring queries and workflows, page 76. Checking job log files, page 107 How to view and check job log files. Overview The Agent component provide an automatic means of linking and replicating objects in SAP and Documentum. Note: This feature is part of License Key 2 and will not be available if you have purchased License Key 1. There are three parts to the Agent component; these are known as Actions, Agents and Jobs. Actions define what has to be done. There are five types of actions. 1. Linking SAP objects to Documentum objects. 2. Linking Documentum objects to SAP objects. 76 3. Replicating SAP objects into a Documentum repository. 4. Replicating Documentum objects into SAP. 5. Checking the integrity of the linked objects in SAP and Documentum. All actions use queries and workflows to perform these tasks. Agents run the actions. The Agent defines on what machine and with which user an action is carried out as well as what the report that is generated looks like. Jobs are scheduled events that can start Agents. There can be multiple Agents attached to a Job that are run one after the other. The job defines when the Agents have to run, according to a specified schedule. The following illustration shows the relationship between these parts. Figure 4. Agent services Configuring queries and workflows Actions depend on queries to identify objects that need to be linked or replicated. The queries can be made on SAP or Documentum systems. Documentum workflows can then be added to the Action to determine what happens to linked and replicated objects. SAP queries In order to test SAP queries, at least one SAP user and one SAP server have to be configured. This specifies a query that identifies all SAP objects that must be linked to a dynamic Documentum query or to a repository folder. 77 Creating, viewing, and editing an SAP query Use the following procedure to create, view or edit a new query: 1. Connect to WebAdmin. It is important to note that with the CAD Interface queries you can only query SAP R/3 version 4.6c. The PLM Interface enables you to query SAP R/3 version 4.7 and 4.6c. Table 17. Choose a Server and a User on which to test the query, enter the maximum number of records to be returned for the test and click the test button. Note: You must save any amendments before you implement any changes made. If the execution of the query on the SAP System takes too long, the browser, running WebAdmin can receive a timeout. 8. Click the appropriate button to Save or Cancel the SAP Query configuration. Note: The window shows test results, this area will be blank until the query is run. Documentum queries This specifies a query that selects the complete set of objects to be linked. The query can be any valid DQL query that selects at least the object ID, r_object_id AND the object_name as well as one or several attributes that contain the SAP object information. Creating, viewing, and editing a Documentum query Use the following procedure to create, view, or edit a new query: 1. Connect to WebAdmin. 79 2. Click Documentum and ensure that the Query tab is open. 3. Choose Create a New Configuration from the Choose a Query: drop down list or choose an existing Documentum query. The Documentum Query window appears. 4. Enter a name for the Query In the New Query s Name: field. 5. Enter the DQL statement for the query. You can use the $ARG expression when defining the DQL statement. For example: select r_object_id,object_name from dm_document where object_name ='$ARG1'... See Creating, viewing and editing SAP to Documentum links, page 83 for details of the $ARG expression. 6. To test the query, enter the maximum number of records to be returned for the test and click the test button. 7. Click the appropriate button to Save or Cancel the SAP Query configuration. Testing queries with $ARG# statements By configuring a Documentum Query with Arguments ($ARG#) in the DQL statement, the query can be used later for Link Actions. The $ARG# variable has to be numbered (e.g. $ARG1, $ARG2, etc.). The variable can be used as a placeholder that will be resolved during runtime. Example: select r_object_id, object_name from dm_document where object_name = $ARG1 This query will select all documents of type dm_document, where the object name equals a given substitute for the argument with the number 1. For an explanation how this queries can be used for a link action, see Creating, viewing and editing SAP to Documentum links, page 83. When testing, the query will be parsed for occurrences of $ARG# and the user will be prompted to enter a substitution for every argument found. When all arguments are replaced according to the string, the final query that is about to be tested will be shown. Note: The whole query will be displayed within quotes. The result of the query, will be shown in the lower frame of the Documentum Query tab. In the example, the object of type dm_document with the object_name Electrical Pump has been returned. These can be created in Content Services or by other means but must be stored in the appropriate folder. Content Services makes use of Documentum Workflows to notify users when an action has been performed. For example: An Archive can be configured so that a workflow is executed when a document is archived. A Content Services Action can be configured so that a workflow is invoked when a document is linked or information is replicated. WebAdmin will allow you to create a simple distribution workflow. If you need to implement a more complex workflow you should use a product such as Documentum Developer Studio to create the workflow (the underlying object type is called a dm_process object) and save it to the /System/DocLink/DCTM/Template/Workflow folder. The workflow will then be accessible within DocLink WebAdmin. Creating, viewing, and editing a workflow Use the following procedure to create, view, or edit a new workflow: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Documentum and ensure that the Workflow tab is open. 3. Choose Create a New Configuration from the Choose a Workflow: drop down list or choose an existing workflow. 81 The following items are included in the routing: Table 18. Workflow parameters Field name Recipients Routing Instructions Description This list specifies all recipients of this workflow. In serial workflows where one recipient is visited after the other, the order of the list will be used for routing. The list can be rearranged using the up/down arrow (after selecting a recipient) or the remove button. There are two routing modes supported. Broadcasting to all recipients at once and going from one recipient to another. If more elaborate workflows are needed, they can be configured using WorkSpace. They have to be stored in: /System/Content Services/DCTM/ Templates/Workflow Enter in this text field the instructions given to each recipient of the workflow. (Please verify and forward, for example). 4. Enter a name for the Workflow In the Name: field. 5. Choose the Groups, that apply to the workflow, from the drop down list. 6. For each User in the group, highlight the User and click the right arrow to add them to the Recipients list. 82 Linking objects Agent services make use of the SAP DMS interface to perform linking of objects from Documentum into SAP. The DMS interface was originally built to integrate CAD Applications into an SAP system. Subsequently, SAP expanded the DMS interface to include integrations with PLM (Product Lifecycle Management) systems. The PLM Interface is the next generation of the DMS interface and greatly enhances its functionality. A set of API functions called the CAD Interface allow you to access SAP server version 4.6c from external applications like the Agent services or CAD Systems. The PLM Interface is comprised of a set of API functions and allows you to access the SAP server from external applications like the Agent services or PLM Systems, like Documentum. With the PLM Interface you can access SAP server version 4.7 and 4.6c. In addition to accessing the content on your SAP 4.7 server, the PLM Interface enables you to get editable copies of it, and check it into and out of your Documentum repository. In order to link from objects in SAP to objects held in Documentum, the SAP DMS creates objects in SAP called Document Info Records (DIRs). A DIR is created in SAP for every document released from Documentum. The DIR contains several attributes like description, document ID, document version, and a reference to a specific Documentum object in the Documentum repository. The SAP client application (SAPGUI) can launch an external application for specific content or carrier types (in SAP terminology). These external applications include Content Services View installed on workstations running SAPGUI. When a document previously released from Documentum into SAP is viewed, Content Services View is launched and the information stored in the DIR is passed to this application. With this information the Documentum Content Server is queried and the requested document is retrieved and displayed with a viewer application on the SAP workstation. Document linking actions allow you to specify attributes for the DIR using the Rule Composer. The rule composer allows you to specify the following attributes for a DIR: DocumentNumber: SAP DIR number. A document number specified by the Agent could be for example ʺDocumentNumber=ʺ%sʺ,i_chronicle_idʺ. If not specified the chronicle ID is used to define the document number. This must be a unique number. DocumentDescription: Description attribute of DIR. A value must be defined. Example: ʺDocumentDescription=ʺ%sʺ,object_nameʺ. 83 DocumentType: SAP document type (for example ʺDocumentType=ʺDOCʺʺ). The default is ʺDRWʺ. Note: Since the PLM type objects are usually drawings, a default value of DRW is used. You can always override this setting in the Query Conditions field of the SAP Query Composer (refer to Creating, viewing, and editing an SAP query, page 77). Example 3 1. You can assign the value of DocumentType as DES for a DES document type. For all document types, you can set the value of DocumentType as one of the following: DocumentType=* DocumentType= In this case, no value has been assigned to the parameter. The value for the parameter has been set to blank. DocumentStatus: An SAP Document Status can be specified =PI. This is mandatory for PLM based SAP object types. Creating, viewing and editing SAP to Documentum links In the following example you want to link all materials within SAP that have a description starting with ʺpump*ʺ to a document in the repository with the same object_name as the material s description. You will need to create: An SAP Query Select all pumps which selects materials with the following condition: Description = pump* This query (Querytype: Material by Description) returns the following attributes: Description, Type, Industry, Material Documentum Query FindObjectName which selects objects of type dm_document where the object_name equals $ARG1 : Select r_object_id, object_name from dm_document where object_name = '$ARG1' EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide 83

The DIR is created for the current SAP object with links to the documents in the repository named Pump One. The additional DIR attributes are assigned according to the map rules. Here you specify the substitution for an $ARG# in the DQL statement of the Documentum query. In this way a lookup into Documentum is defined which identifies the object(s) which the SAP object should be linked to. d. Click the down arrow to add the rule to the Defined Map Rules field. 10. Click the appropriate button to Save or Cancel the SAP Query configuration. Creating, viewing, and editing Documentum to SAP links This action links specific documentum objects to SAP objects. When configured and executed using the Auto Manage function, this action works as follows: Reads the Agent configuration object to retrieve the SAP connection parameters. Connects to SAP. 87 Each returned object is then processed as follows: The Attribute Map is used to find the specific related SAP object. If the SAP object is found then Content Services checks to see if this object is already linked. If it isn t linked then a DIR is created in SAP. The attribute map is used to set the DIR attributes. In the following example you want to link all sub folders of the folder /SAP/Material to a Material in SAP where the material attribute matches the folder name. You will need to create/configure: A Documentum Query SelectMaterialFolders selects objects of type dm_folder where the folder s location has to be /SAP/Material: select r_object_id,object_name from dm_folder where folder('/sap/material') Material Master is the SAP Object Type that you want to link to your material folders. This SAP Object Type has the following attributes: MaterialType, Material, Industry, BaseUnit, Description, Pant These attributes are shown with the prefix key in the map rules, indicating that they can be used as search conditions in the generated SAP Query. Link Documentum Action Link material folders has the following map rules: key.material DocumentType DocumentDescription = "%s",object_name = "DRW" = "Document folder for %s", object_name The action will link the following version and format of the folders: Format: Version: Best Format Current Version The result is: The Link Documentum action runs SelectMaterialFolders (Documentum Query), returning a number of folders in the folder /SAP/Material. Enter a name for the Action In the New Action Name: field. 5. Choose the SAP Object Type from the drop down list. 6. Choose the Documentum Query from the drop down list. 7. Choose a Link Workflow from the drop down list. 8. Check the Verify object link box, if required. 9. For the binding rule you want to define: The binding rules allows you to specify the following: Format: Which document format/rendition (PDF, native format, HTML, best format for example) should be released to SAP. The selection Best Format can also be specified. The definition of what the best format is can be configured in WebAdmin. See Client Configuration for more details on this. Version: Which version of the document should be released. Here you can enter a specific version label, such as ISSUED, or use a keyword like dms_selected_version or dms_all_versions. If all versions are released to SAP then the Content Services Viewer will display a list of all possible document versions. a. Choose the Format from the drop down list. b. Choose the version required from the drop down list and click the left arrow to add the version to the Version field. 10. For each Attribute Map rule you want to define: a. Choose the variable from the drop down list. b. Enter the format of the variable in the Format field. c. Choose the parameter required from the drop down list and click the up arrow to add the parameter to the Parameters field. The up arrow also alters the format string by adding %s at the end. d. Click the down arrow to add the rule to the Defined Map Rules field. 90 DIR attributes: When a document is released to SAP, an SAP DIR is created for it. Values can be set for DocumentType, DocumentDescription, DocumentNumber, and DocumentStatus. For example, the rule Document Description = Related SOP for %s, object_name will build a DIR description containing the object_name attribute from the Documentum document. Lookup Key Values: In order for the Documentum object to be linked to an SAP object, Content Services must be able to find the related object in SAP. Here you specify a lookup into SAP which identifies the single object which the document should be linked to. For example, key.material=ʺ%sʺ, object_name will instruct Content Services to link the Documentum object to a SAP material which has the material name equal to the Documentum object_name. 11. Click the appropriate button to Save, Cancel, Copy or Delete the Link Action. Automated early archiving using the Agent component The Agent component can now be used to automate the movement of incoming TIFF images to SAP work items. This is done by configuring a Link Documentum action using parameters similar to the following example: SAP Object Type = Image assign sap workflow Dctm Query = SelectInvoiceFolders Create a Documentum Query that returns the object name and object ID of the documents to be sent to SAP, for example, select r_object_id,object_name from sap_invoice where folder( /SAP/Invoices ): Key.DocumentType=ZFIINVOICE (enter your custom SAP document type for incoming TIFF images) Key.Objecttype=BKPF (enter your SAP object type) Key.ArchiveId=Q2 Key.Drl=Drl Checking the integrity of linked documents After the Agent has automatically linked the SAP and Documentum object, it is technically possible to manually edit or delete DIRs in SAP. It is therefore possible to change/delete links from SAP without receiving a notification of this within Documentum. To help ensure the integrity of the links between SAP and Documetum, it is possible to write a rule to perform an integrity check between the two systems. Content Services for SAP does not attempt to fix problems: it just reports them. 90 EMC Documentum External Viewing Services for SAP Version 6.0 Administration Guide

91 The aim of this action is to generate a report that details any mismatches between Documentum and SAP. The action builds two lists and looks to see whether there is a Documentum object (documents, folders, queries, etc.), related to each retrieved DIR. In the end, all DIRs that have no Documentum object linked to them are listed in a report. If there is no DIR for a Documentum object, the relation to this object is listed in a report. This is shown in the following illustration. Figure 8. Integrity checking Note: To configure a Check DIR action, you will need a Documentum query and an SAP query both previously configured. Use the following procedure to check integrity of objects in both systems: 1. Connect to WebAdmin. See Logging in to WebAdmin, page 46. The Check DIRs window appears. 4. Enter a name for the query In the Name: field. 5. Choose the Documentum Query from the drop down list. 6. Choose the SAP Query from the drop down list. 7. Click the appropriate button to Save or Cancel the check. Replication of information between Documentum and SAP Content Services provides a facility for maintaining the integrity of documents held in SAP with those stored in Documentum. Replication is the duplication of data held in one system into another system. The replication process, once started updates all objects not matching the set conditions and not yet updated. Replicating SAP objects Replication creates images of SAP objects in Documentum. For example you may want to replicate invoice information into archived images in Documentum. In the following example you want to replicate all pumps within SAP as folders in the /SAP/Material folder (in the Documentum repository) in order to store additional documents to each pump in that folder. Replicating here means, that the folder should have the same attributes, as the actual SAP object has, in order to be able to search for a specific pump in the repository as well. When the folders are generated you would be able to link them back to the SAP pump objects. Replicate SAP Action Replicate material folder has the following rules: The Object Key rules are used to check whether there is a dm_folder object with the path /SAP/Material and the object_name matching the material attribute of the current pump object in SAP. object_name FOLDER = "%s", Material = "/SAP/Material" The Update Condition rules are used to check whether the attributes of the folder have to be updated (only validated if update object is checked). Here you only update the folder if the title of the folder is empty. If the folder has to be created or updated, the action maps the SAP attributes to the specified Documentum attributes. Replicating Documentum Objects In the following example, you want to update the Status of Document Info Record (DIR) attribute in SAP to reflect a change in the status of the Documentum object. Replication in this example means updating SAP objects, not creating new ones. This example can be found as a configuration object in WebAdmin, called Update DIR status. We will execute a Documentum query and update the related DIRs to reflect a change in document status. 103 Working with the FILTER attribute The FILTER attribute is a symbolic target that specifies an external command line to run when creating links. The FILTER attribute conforms to the following syntax: <Path> <Arg1> <Arg2> <ArgN> <r_object_id> <Repository> <User Name> <Password> The parameters used in the syntax are described in the following table: Parameter Path Arg1, Arg2,...ArgN r_object_id Repository User Name Description Fully qualified path to an executable Arbitrary parameters as defined by your filter program r_object_id of the current object Name of the repository where you would like to run the executable User name used to connect to the repository Password Password that corresponds to the user name described in this table You can use these parameters to pass additional values to the external filter; use the printf() format string for this purpose. If the execution is successful, the external filter returns 0 as the exit code; if unsuccessful, it returns a non zero value as the exit code. Using Auto Manage to execute Content Services for SAP actions Jobs can be made to run automatically at regular intervals by creating an Agent to run a defined action. Jobs run Agents. Agents execute actions. Actions perform linking, replication, or integrity checking Job progress and status can be monitored. The following illustration shows the relationship between these parts. 104 Figure 10. Agent services Creating, viewing, and editing an Agent Agents run actions and define on which server and what user an action will run. If an action was meant to run on several servers, each server has to have an Agent configured. You should be careful choosing an SAP user since the Agent will run the action with the access rights this user has on the SAP Server defined in the Agent. Additionally a report template can be configured, defining how the Agent s report file is displayed. The reports are stored in /System/sysadmin/Reports on the Documentum repository running the job that invokes the Agent. The report format is XML. The template can be any file with a <DM_XML_INCLUDE> tag that will be replaced with the XML report generated by the Agent. Note: The XML report has no XML header tag [<?xml version=ʺ1.0ʺ?>]) New report template files have to be stored in /System/Content Services/DCTM/Template/Report. To configure an Agent, you will need a previously configured Action as well as a previously defined SAP Server and SAP user. Use the following procedure to create, view, or edit an Agent: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Auto Manage and ensure that the Agents tab is open. 3. Choose Create a New Configuration from the Choose an Agent: drop down list or choose an exiting Agent to view or edit. The Agent window appears. 4. Enter a name for the Agent In the New Agent s Name: field. 5.
