1. Business Scenario The migration solutions for SAP ERP HCM available with SAP TDMS allow you to select HCM data for transfer from your production system to your test environment. SAP TDMS for SAP ERP HCM enables the migration of country-specific HCM data. The migration solutions also allow for the scrambling of sensitive HCM data. You can carry out scrambling in the source system so that data does not leave the system unscrambled. The HCM migration solutions support specific roles and authorizations for any sensitive data. The migration solutions provided with SAP TDMS for HCM data are relevant in the following typical business contexts: You have a problem with a specific employee s payroll and would like to transfer data belonging to this single employee along with related data to your test environment for further investigation. You want to transfer HCM process and forms data for particular employees. You want to transfer selected organizational data together with related organizational data and employee master records to a testing or training environment. You require specific e-recruiting data from your integrated e-recruiting system. You want to specify a complex, multi-step selection of HCM objects and personnel numbers and use this selection to transfer data to the training or test environment. You want to transfer sensitive HCM data using the file transfer protocol. You want to compare payroll and time results after a TDMS run such as changes in release information, changes during the installation of SAP HCM support packages, or changes in Customizing. 1.1 Background Information You can access the migration solutions relevant to SAP ERP HCM from the work center available with SAP TDMS 4.0 by choosing Portfolio -> Application-Based Transfer. Your HCM data migration requirements can be addressed by the following migration solutions: Transfer of Personnel Adm. 6 1.2 Prerequisites You have installed DMIS 2011 and DMIS_CNT 2011 with the latest support packs. You have identified the execution landscape for SAP TDMS. For more information, see the Master Guide for SAP TDMS 4.0 on SAP Service Marketplace at If you want to transfer data to a new client, you have ensured that the Customizing settings are present in the receiver client. If the settings are not present, you can transfer the settings using the migration solution Transfer of Customizing and Master Data for SAP ERP. 1.3 Migration Solutions You can use the following migration solutions to transfer HCM data: Transfer of PA Data for SAP ERP HCM: To transfer personnel administration data of employees including payroll and time data. Transfer of PD and PA Data for SAP ERP HCM: To transfer PA Data and personnel development data such as organization units, jobs, and positions. Transfer of PD and PA Data for SAP ERP HCM (Expert): To transfer all objects belonging to object types, such as organization unit, personnel number, or position SAP AG. All rights reserved. 6

2 Step-by-Step Procedure to Transfer SAP ERP HCM Data Let us take a look at the typical use case for HCM data transfer: The transfer of personnel administration (PA) and personnel development (PD) data along with e-recruiting data and HCM process and forms data. This typical use case includes the following steps: Making Customizing settings before the data transfer Defining Scrambling Rules Configuring the Z Tables Selecting Data for Transfer Selecting Personnel Numbers using the Selection ID Technique Transferring HCM Data using File Transfer Selecting and Transferring E-Recruitment, Processes and Forms, and Personnel Administration Data using the Selection ID Each step is described in detail in the following sections. 2.1 Making Customizing Settings before Data Transfer To view all the Customizing and authorization-related activities for the data transfer, go to: TDMS Work Center Create a Project Create a TDMS HCM migration package Open the migration package. The migration process tree opens where you can view the required activities under the following groups: Customizing for Data Transfer: You can complete all necessary configurations for the control system in this group. Configuration and Utilities in the Sender System: After you execute the activity Configuration and Utilities in the Sender System, you can view and change the Customizing in the sender system in SAPGUI. Figure 1: Customizing Activities in the Migration Process Tree 2012 SAP AG. All rights reserved. 7

Figure 2: The Customizing Structure for the Activity Configuration and Utilities in the Sender System General Comments In most Customizing settings, you can choose to assign your criteria to a project, a subproject, a package ID, or even a specific user. You can specify wildcard entries from the left to the right. More specific settings have priority over less specific settings. You must define Customizing data in the sender system. If this is not possible, transport the Customizing data to the designated sender system Customizing for Data Transfer Each activity under the group Customizing for Data Transfer is described below. Exclude Objects for Data Transfer This Customizing activity allows you to exclude specific info types and subtypes from data transfer. If you specify infotypes or subtypes in the selection screen, SAP TDMS does not move the objects you specified to the receiver client. Define Target Ranges for Users With this Customizing option, you define key areas in the target system. Typically, you define key areas for specific users to prevent users from overwriting each other's data. You can define a maximum number for each object type to prevent users from transferring very large quantities of data. When defining target ranges for PD objects, enter the plan version SAP AG. All rights reserved. 8

Caution Define the number range for the objects that you want to transfer. You cannot carry out the transfer if the target range for your package is not specified or if the objects selected by you lie outside the range. You can also specify generic keys ('*') for the project and package to apply the target range to all packages. Recommendation When Transferring PA Data In the plan version, enter '*' for the object types P (Person) and CP (Central Person) in the activity Define Target Range for Users When Transferring PA and PD Data In the plan version, enter '*' for the object types P (Person) and CP (Central Person). Maintain other object types such as O (Organization) and S (Position) for specific plan versions only. Define Country for Tables Relevant for Data Transfer In this Customizing activity, you define the countries that are valid for a given project, subproject, and package ID combination if you want to transfer country-specific PA data. Hence, this activity selects country-specific HCM tables for transfer. The HCM system stores the data in tables that are not info types or clusters. In addition, the Identify Objects for Data Selection activity automatically picks up infotypes and clusters relevant to the specified countries. Set Technical Switches In this activity, you set switches that impact selection, transfer, and post-transfer processing: A few important switches are explained below. PD_NO_EMPTIES If you define this switch with the value X, the Identify Objects for Data Selection activity does not transfer objects with no related child objects. SND_LOGON If the sender system and the control system have different RFC destinations and if you set this switch to X, the Identify Objects for Data Selection activity initiates an explicit logon to the sender system. Note You must provide relevant HCM authorizations to users in the sender system. To prevent unauthorized access of sensitive HCM data, only valid users with appropriate HCM authorizations can be allowed to access the data. Use a CPIC user in the TDMS landscape who only has TDMS authorizations SAP AG. All rights reserved. 9

To allow authorized users to select the HCM data in the sender system, ensure that you have defined users with both TDMS and HCM authorizations. However, such users should not be visible in the TDMS landscape to ensure that unauthorized access to their systems does not take place. Set the SND_LOGON switch to 'X' to force such users to enter the user ID and password during data selection. SAPGUI_PROGRESS_OFF If you set this switch to X, the switch suppresses the information that appears when you confirm the Identify Objects for Data Selection activity. NEXT_KEYS_OFF If you set the value of this switch to X, the target area is set for deletion and the automatic search for the next free target key area is switched off. In this situation, you must manually set the target area range for each affected object type. If you do not set the switch, the target area is not set for deletion. The program searches for the next key area within the permitted range and copies the selected source records. MULTIPLICATION_ON If you set the value of this key to X, an additional parameter appears in the Identify Objects for Data Selection activity. This parameter allows you to enter a multiplication factor for data transfer. USE_BEGDA_<TABNAME> If you set the value of this switch to X, the Identify Objects for Data Selection activity selects and transfers data in very large tables based on the partial cutoff date you specified. LOGGING_MAX_KEY_NUMBER You can assign a numeric value to this switch to reduce the volume of key information that is logged. This may be useful if you are transferring large amounts of data and find that the volume of logging information stored and processed is increasing the run-time. The system performance may also be impacted if the data is too voluminous. Possible values for the switch: Value Impact 0 No key data is logged Numeric (NNNN) Non-numeric or space Number of keys per object type that are logged All keys logged The following message appears for the number of times you indicated in the numeric value: Key selected for PLVAR &1, OTYPE &2, FROM &3; transferred to &4 PARALLEL_ON What does the switch do? 2012 SAP AG. All rights reserved. 10

When you set the switch PARALLEL_ON to X for your migration package, you enable the parallel selection of data before data transfer. When you set the switch, SAP TDMS creates a batch job for each transparent table and for each RELID belonging to cluster tables When should you use the switch? You can set the switch when you are transferring a large number of employee records (>10000). Note If this switch is set to transfer a small set of employees, the overall runtime of the activity Identify Objects for Selection and Start Data Selection could increase. PARALLEL_DEL_ON What does the switch do? When you set the switch PARALLEL_DEL_ON to X for your migration package, you enable the parallel deletion of data for transparent tables. When you set the switch, SAP TDMS creates a batch job for each transparent table and for each RELID belonging to cluster tables When should you use the switch? You can set the switch when you are transferring a large number of employee records ( such as more than 1000 records). During the Data Transfer Phase If you are in the Data Transfer phase and the activity Data Deletion Start in the Receiver System is running for a long time, stop the activity and set this switch in the maintenance view V_CNVHCM_SWITCH. In the File Transfer Mode If you are using File Transfer mode and the activity Data Deletion Start in the Receiver System is running for a long time in the import package, stop the activity and set this switch in the maintenance view V_CNVHCM_SWITCH. Note If you set this switch to transfer a small number of employee records, the overall runtime of the activity Data Deletion Start in the Receiver System could increase. Caution Do not use more than 8 jobs for the activity Data Deletion Start in the Receiver System. WEB_UI What does the switch do? When you set the switch WEB_UI as X for your package, SAP TDMS runs the activity Identify Objects for Transfer and Start Data Selection in the Web interface and does not switch to the SAP GUI. This switch forces you to enter the credentials for the sender system or to use the secure credentials defined for your system. When should you use the switch? 2012 SAP AG. All rights reserved. 11

You can set the switch if you want to use your secure credentials while logging on to the sender system before selecting SAP ERP HCM data for transfer. Set the switch for each migration package individually and do not specify the special character * in the project and package fields. Note When you set the switch WEB_UI for your package, SAP TDMS ignores the switch SND_LOGON. Define Non-Payroll Clusters Cluster tables consist of payroll clusters and other cluster tables. Payroll clusters contain special ABAP dictionary definitions and SAP ERP HCM provides special function modules to import and export data from payroll clusters. Non-payroll cluster tables contain macros to retrieve cluster data. In this activity, you can view the DDIC references for the non-payroll cluster tables provided by SAP ERP HCM. You can also enter custom cluster tables and define the DDIC reference for the cluster tables. Define Selection Size SAP TDMS for SAP ERP HCM selects the complete set of data for each table based on the specified selection criteria. On occasion, this can result in issues if the amount of data selected is too high to fit into the available memory for the process. To offset this situation, specify the portion size for each table in the view V_CNVHCM_SELSIZE in the sender system to enable the selection of data in portions. However, selection in portions could occasionally result in certain performance issues. For information about defining optimal selection sizes, see SAP Note Configuration and Utilities in the Sender System Each activity under the group Configuration and Utilities in the Sender System is described below. Exclude Organizational Groups from the Transfer In this Customizing activity, you can exclude a specific organizational group defined in infotype 0001 by setting a return value of X. You can create routines to exclude a particular PERNR. The CNV_TDMS_HCM_TDHC1_CODE program contains sample coding for excluding PERNR. You can add custom criteria for exclusion. If you cannot directly maintain Customizing data in the sender system for this activity, use the PE03 transaction to maintain data for this activity. The relevant feature is TDHC1. Several fields belonging to the infotype 0001 are available in the structure assigned to the feature. Define Table Transfer Groups You define table groups in this activity to enable the transfer of custom tables without any extra programming. For more information, see Section SAP AG. All rights reserved. 12

Define Tables for Table Transfer Groups You assign tables to the table groups defined in the Define Table Transfer Groups activity. You can assign tables that are not infotypes or cluster tables. For more information, see Section 2.2. Set Table Transfer Status By default, SAP TDMS sets all tables selected by the standard criteria for transfer to the receiver system. You can manually deselect the tables from transfer in the Inc./Exc. checkbox. For more information, see Section 2.2. If you want to include additional infotypes or cluster tables for transfer, enter the table names in this activity. The activity alerts you if any new tables are available but not listed on the screen for this activity. You can choose to include the new tables. View Authorizations for Personnel Administration/Development Data Personnel Administration Data You use this activity to determine if you have the appropriate authorizations. The transfer programs have embedded HCM authority checks in them, so it can be beneficial to verify the authorizations you have for selecting and transferring PA data. If you don t have the correct authorizations and try to run the transfer program, the system doesn t select (or deletes) the data that you don t have authorizations for. The system logs this information. Personnel Development Data You use this activity to determine if you have the appropriate authorizations. The transfer programs have embedded HCM authority checks in them, so it can be beneficial to verify the authorizations you have for selecting and transferring PA and PD data. If you don t have the correct authorizations and try to run the transfer program, the system doesn t select (or deletes) the data that you don t have authorizations for. The system logs this information. View Tables Required to Be Scrambled You can list the tables that can be transferred based on the customizing definitions, but where the selection field is not a key field. If these tables are to be included in the transfer, it is necessary to define the scrambling rules. View Authorizations for Data Selection This activity runs in the sender system and allows you to check if you are authorized to execute the transfer program Confirm Functions. Assign Objects to a Selection ID For more information, see Section 2.5 Creating a Selection ID SAP AG. All rights reserved. 13

Deletion Using the Target Ranges You can use the transaction CNVTDMS_HCM_DELETE in the receiver system to delete the data based on a target range. You can specify the target range for a package and use the same package number in the report to delete mass data from the receiver system. This transaction is faster than the Data Deletion activity in the TDMS HCM package as it deletes all the data in the range specified in the target range. You should execute this activity before data transfer to perform a mass deletion of data in the receiver system. Define Transfer Groups for HCM Tables Refer to Section 2.3: Configuring the Z Tables. 2.2 Defining Scrambling Rules HCM related data is considered sensitive. Hence, SAP TDMS 4.0 enables you to scramble sensitive data in the production systems before migrating data to the non-production systems. Data scrambling does not impact the actual data in the production system. For more information about scrambling see the How-to Guide for Scrambling on SAP Service Marketplace at Configuring Z Tables You define table groups in this activity to enable the transfer of custom tables without any extra programming. If you want to transfer the Z tables that you created with the key PERNR or OBJID, configure the Z tables in TDMS HCM. SAP TDMS transfers data in the Z tables synchronously with the data in the SAP standard tables. To configure the Z tables, proceed as described in the sections below Configuring Z Tables if You Are on Support Package 8 Open the process tree for the package in which you want to configure Z tables. 55 3 Using the Payroll and Time Comparison Tools Let us compare the payroll and time results for the employees transferred in package 9000O. 3.1 Payroll Comparison Tool SAP TDMS payroll comparison tool helps you to quickly and safely check the correctness of the payroll results. This tool could be used to compare the payroll results after: TDMS HCM data transfer Changes of SAP-releases, Installation of SAP HCM support packages Changes in the customizing The following comparisons are possible using the SAP TDMS Payroll Comparison tool: 1. Package Related Compare You have the option to compare payroll results of all the employees transferred using TDMS HCM packages. The employees to be compared are taken from the information in the package. The selection of employees is disabled. If an employee 1 of the source system is transferred to employee 1001 in the receiver system, then employee 1 of the source system is compared to employee 1001 in the receiver system. 2. Single Compare You can compare payroll results of two employees in the same system or the same employee in different systems. 3. Mass Compare You have the option to compare payroll results of employees across systems. The employees to be compared are obtained using the PNP-selection. You also have the option of writing data into cluster and then compare the results from the cluster. Apart from specifying the type of comparison, you could also format the output in Single Line/Double line for the RT, CRT, BT and GRT tables SAP AG. All rights reserved. 55

4 FAQs/Common Issues/Scenarios 4.1 FAQs 1. How can I transfer data between two systems located in different geographical locations? If your systems are in different geographical locations, you can execute the Export Data to Files activity in any TDMS HCM migration solution. You can next import the data using the migration solution Data Import Through Files for SAP ERP HCM. 2. How can I determine the evaluation path for our transfer? 1. Determine the object types you want to transfer in SAP ERP HCM. 2. Find the relationships between these Object types and then find the evaluation path in the transaction OOAW in the SAP ERP HCM system. 3. If you cannot find the evaluation path for the object types you want to transfer, create a new evaluation path using the transaction OOAW. For more information about maintaining evaluation paths, see the SAP Help Portal at and choose SAP Business Suite SAP ERP 6.0 Application Help EN d/content.htm to understand how to maintain evaluation paths. 3. What benefits can I expect from using the Selection ID? o When you make a selection using the HCM Object Selection, you are proceeding in a similar manner to saving values as a variant. After you create an HCM Object Selection, you can repeatedly use it across multiple TDMS HCM packages (PA and PA-PD). o You can tailor the selection to include more filter options than what you can specify in a regular selection where you can only select the necessary object types and the corresponding object IDs. For example, you can restrict the transfer of data for a particular object type to only transfer a set of infotypes. o After you make a selection using the HCM Object Selection, you can preview your selections in a hierarchy tree that displays the objects types and the related content set for transfer. o You can upload and download the selection criteria so it is easy for you to create new selection IDs from the existing selection IDs across systems. 4. Do I need to carry out all Customizing steps before I can transfer HCM data? No, here are the required steps: o o Defining the target ranges If not defined for the package/all packages Setting the Technical Switch SND_LOGON to?? 5. What authorizations do I need to run TDMS HCM? All the SAP ERP HCM authorizations (Example: P_PERNR, P_ORIGIN, P_PCLX, etc.) and TDMS authorizations are required to select and transfer the data in TDMS HCM SAP AG. All rights reserved. 62

For a complete list of authorizations, see the Security Guide for SAP TDMS 4.0 on SAP Service Marketplace at 6. How can I clean the SAP ERP HCM data in the receiver client before data transfer? Here s what you can do to clean the HCM data in the receiver client: 1. Create a TDMS HCM package if there is no such package and execute all activities in the process tree until you reach the Technical Settings phase. 2. In the Define Target Ranges activity, define the target ranges for the object types you want to delete. You can find this activity under the Customizing for Data Transfer node in the Configuration and Selection phase. Alternatively, you can create the same entries in the view V_CNVHCM_TARGETS in the control system. 3. Go to the transaction CNVTDMSHCM_DELETE in the control system. Enter the package number and execute. This program cleans up the HCM data in your receiver client for the target ranges you defined in Step What data is reduced if I use the cut-off date as a filter? TDMS HCM reduces the payroll data (PCL2) if you use the cut-off date. If you want to reduce specific Infotypes using the cutoff date, set the switch USE_BEGDA_*****, where ***** is the table name. The switch USE_BEGDA_PA2010, for example, can use the cutoff date to reduce the data in the infotype PA Can we transfer any table using TDMS HCM? You can transfer any table that has either PERNR or OBJID as a key field in TDMS HCM. To transfer any other HR tables, contact TDMS HCM support. To transfer tables not related to HR, use the Time-Based Reduction for SAP ERP migration solution. 9. Do I need to lock users before data deletion and transfer for SAP ERP HCM data? You do not need to lock the users in the receiver system before deletion and transfer of HCM data since the TDMS HCM package run doesn t require any downtime. 10. Does TDMS HCM transfer posting data? TDMS HCM does not transfer the posting data, but runs the posting in the simulation mode. To run the posting in a simulation mode in the receiver system for the selected PERNRs: Select Posting Data on the Other PA Data tab page in the activity Identify objects for Transfer and Start Data Selection. If you want to transfer complete posting documents, contact TDMS HCM support. 4.2 Common Issues 1. Data selection fails with a dump in the source system In some scenarios, the Data Selection activity in your TDMS HCM package might fail and a dump may be generated in your TDMS sender system. A possible reason for the error could be the case of the roll 2012 SAP AG. All rights reserved. 63

memory issue, which generates the short dump TSV_TNEW_PAGE_ALLOC_FAILED in the TDMS sender system. This short dump occurs when one or more of the tables being transferred by TDMS HCM contain a large amount of data. To prevent the error, maintain the large PA tables in the view V_CNVHCM_SELSIZE. For more information about what you can maintain in the view, see SAP Note : TDMS4HCM: SP05 to SP07 - Memory issues in data selection. 2. Target ranges are not defined The Data Selection activity sometimes ends with an error if you have not defined any target ranges for the object types you wish to transfer with the TDMS HCM. You can define the target range in the Define Target Ranges for Users activity available under the Customizing for Data Transfer node in the Configuration and Selection phase. For more information, see Section Customizing for Data Transfer. 3. Cannot specify criteria for data selection in the activity Identify Objects for Transfer and Start Data Selection After you execute the activity Identify Objects for Transfer and Start Data Selection, a remote logon screen for the sender system is displayed. If the remote logon screen does not appear and the activity log contains an error such as The sender system user is non-dialog and the SND_LOGON value is not set, you can use the Set Technical Switches activity, available under the Customizing for Data Transfer node in the Configuration and Selection phase. With the help of the activity Identify Objects for Transfer and Start Data Selection, you can set the value of the switch SND_LOGON to X. For more information about the switch SND_LOGON, see Section Customizing for Data Transfer. 4. Payroll data was not transferred even though I selected the clusters to be transferred You do not see any data in transaction PC_PAYRESULT if the payroll data is not transferred. A possible explanation could be that the CU cluster was missed out during the data selection step in your package. You are required to have the required authorizations to read the CU RELID from the PCL2 cluster table in the sender system. The relevant authorization object for data selection is P_PCLX. Hence, you are required to get the Read and Write authorizations for all required cluster IDs for the authorization object P_PCLX before you can proceed with the next transfer. 5. Performance issues occurred during data selection If you are looking at selecting a large amount of data in your TDMS HCM package, the performance of the normal selection could be somewhat poor. To support large data selection, we have introduced a new switch PARALLEL_ON. You can use this switch to perform data selection in parallel by setting it to X in the Maintain Technical Switches activity. 6. Performance issues occurred during data deletion When the amount of data to be deleted is large such as when running the PA & PD expert migration package, the Data Deletion activity could take a lot of time to complete. Here, we suggest the use of a new switch PARALLEL_DEL_ON. If you set this switch to X in the Maintain Technical Switches activity, you can run the Data Deletion activity with parallel jobs thereby improving the performance of the data deletion process. 7. Number range issue occurred during post-transfer processing If you view the runtime error SAPSQL_ARRAY_INSERT_DUPREC in a TDMS HCM package during posttransfer processing refresh the number range buffer SAP AG. All rights reserved. 64

You can refresh the number range buffer by using the transaction SM56. Choose Goto -> Number Range Buffer -> Reset. After you reset the number range buffer, execute the activity again. If the error persists, please contact SAP TDMS support. 8. Data structure mismatch occurred during data transfer When the Data Transfer Start activity is in process, you could come across an error such as Error in generic write: data structure mismatch, Use the troubleshooter Redefine Migration Objects for TDMS HCM Transfer to redefine one or more objects and link the selected data to the migration object. To use this troubleshooter, here s what you can do: 1. Identify the tables where the error occurred. You can get this information from the error logs of the data transfer activity. 2. Provide the tables as the input to the troubleshooter. 3. After the troubleshooter is successfully completed, execute the data transfer activity again. 4.3 Commonly-Used Scenarios 1. How can I transfer a specific object that does not include employee data? You can transfer a specific object using the Transfer of PD and PA Data for SAP ERP HCM migration solution. Here s how you can proceed: 1. In the activity Identify Objects for Transfer and Start Data Selection, choose the object you want to transfer. 2. Specify the evaluation path. 3. Choose PD Selection. 4. Specify the object types from the evaluation path that you don t want to transfer. Note If object types P and CP are a part of the evaluation path, you cannot exclude them from transfer. 2. How can I transfer an employee record for a particular payroll area or filter employee records from an nfotype field. You can transfer employee data from infotypes using the following filter criteria: o You can choose the Transfer of PA Data for SAP ERP HCM migration solution to select and transfer employee data using filter criteria for infotypes. When you execute the activity Identify Objects for Transfer and Start Data Selection, choose the HCM Query pushbutton. Choose Free Search in the dialog box to filter data from infotype fields. You can, however, only choose a maximum of 6000 employee records for transfer. o Create a new pre-selection ID. For more information about the selection ID, see Section 2.5 Creating a Selection ID SAP AG. All rights reserved. 65

While entering the employee IDs, choose the value help. Choose the Free Search tab page to filter data from infotype fields. 3. How can I transfer data between systems with WAN connections but located in different locations? You can choose to transfer data using files when the sender system and the receiver system have WAN connections but are not in the same data center. For more information about activating file transfer, see Section 2.6 Transferring HCM Data using the File Transfer Method. For more information about data transfer through files, see the How-to Guide How to Transfer Data through Files on the SAP Help Portal at SAP AG. All rights reserved. 66
