3 1 General The Connect Bridge Exchange Synch tool is an application dedicated to synchronize Microsoft Exchange Mailboxes. The mailboxes can live either on the same version and instance of Exchange Server or can be located on different instances. The tool uses a windows service making synchronization between mailboxes in a periodic runs. The tool also provides a graphical web interface to set up the synchronization properties such as connection string to the data source, target mailboxes and synchronization period. The synchronization is running in parallel with Microsoft Exchange services in a nonblocking mode. Needs only two accounts - two mailboxes to synchronize multiple mailboxes Detects and synchronizes only items which have been modified inserted, updated, deleted. Provides run-time information about each synch process executed. 2 System Requirements Prerequisites:.NET Framework 4.5 Connect Bridge Server One Exchange account for each exchange server (login and password) Root mailbox is a single mailbox on each side of the synchronization part which are granted access to all the other mailboxes which are to participate in the synchronization. Thus each user wishing to participate in the synchronization process needs to grant this root user write/read permissions. Any exchange user can become a root user if other users entrust him to read/write their mailbox. This principle with a single root user is to simplify the process and to prevent the participating users to be required to expose their own credentials Page 3/8

4 3 Synchronization process description The synchronization process is periodically executed after start. Application seeks for inserted, updated or deleted or items on every side of the synchronization pair on each shot of the execution. When it finds a change in one side of the synch-pair it reflect this change on the other side. When deleted or updated items are being synchronized, it performs action according the last change by date/time. The synchronization tool has connection credentials only of the two users who have been delegated to read/write items to multitude mailboxes within their exchange. On this principles the root users can determine changes for each delegated mailbox and refer this changes to the other root users which makes appropriate actions. 4 Installation The installation process consists of several steps that are not described in this document. Initial steps are part of common Connect Bridge configuration: Install Connect Bridge Configure Exchange account in Connect Bridge for each Exchange-Server Page 4/8

5 5 Configuration 5.1 Participating users privileges granting The individual user needs to grant appropriate permissions to the root user. This can be done either from Microsoft Outlook, Microsoft Web Access, Connect Bridge Stored procedures or a PowerShell script. The following picture shows granted permission to Jeroen Cool which acts as a root mailbox in the synchronization process in the following example: Page 5/8

6 5.2 Synchronization tool Connection string definition The following pictures shows the first setting screen of the CB Synch application. It requires to enter two connection strings. The connection string of the root users for master and slave system to synchronize. NOTE: There is no actual difference between master and slave system in terms of hierarchy in the synchronization process Page 6/8

7 5.3 Synchronization tool pairs definition The following picture shows the synchronization pairs definition screen. Here the user needs to enter search parameters into Master and Slave Filter By fields. These search parameters can either be partial (uncompleted name but always starting with beginning of the name) or complete mailbox address name of the user. After pressing ApplyFilter the application displays all matching users found in the Active directory. Now it is possible to pick one user from each list and include this pair into the synchronization process by AddPair button. The synchronization pair is now appearing on the right list box. When the synchronization starts these user-pairs will be synchronized. After all the users are defined, the synchronization can be started by invoking the StartSynch button (to stop the service use StopSynch). Before this however it is possible to adjust the time period on which the synchronization will be periodically executed Page 7/8

8 6 Synchronization tool processing The following picture shows the processing screen. This screen displays the synchronization entries with information when the synchronization was executed, the items which have been updated, inserted, deleted for each part of the synchronization pair. The operations are marked as follow: I inserted, U updated, D- deleted. 7 Troubleshooting CB Exchange Synch tool service is by default configured to create a log file. Implicitly log file is called CBSynchController.log and can be found in the same directory where the service is installed. More over the errors can be found also in the Windows Event Log (source = CB Synch).
