1 Programming Date and Time Changes on the Amanda Voice Mail System It is best to change or update the time on your voice mail system after 11AM and before 3PM. This helps to avoid changing the time to a time that is before or after an auto-scheduled recording from the night greeting to the day greeting or vice versa. This will help to keep your auto-scheduled greeting changes from becoming corrupted. At the computer: Make sure that the monitor is turned on. (It is a good idea to leave it normally turned off to save energy and prolong the life of the monitor. A sign should be placed on the screen that indicates that the monitor is turned off and that the computer MUST NOT be turned off.) Press the spacebar to turn off the screen saver. You will now be in the MAIN screen. This will show in the upper right hand corner of the screen. While holding the ALT key press the letter D for Date & Time. You will be asked for a password. The password is AMandA and IS case sensitive. The first 2 and the last letter must be capitalized and the and must be lower case. Type in the password and press the ENTER key. (It will NOT show on the screen as you enter the letters of the password.) You will now be in the Date field of the Date/Time screen. Using the arrow keys, position the cursor over the specific numbers you wish to change in either the DATE or the TIME fields. Enter the time in military format. (1PM = 13:00) You must be careful NOT to delete the colon between the numbers in the time field. If you accidentally type a number where a colon needs to be, go back and type the colon back in. Press the ENTER key to go back to the MAIN user screen or if you have entered all the possible digits of the time field including seconds, the time will be recorded and you will be sent back to the MAIN user screen automatically. This will show in the upper right hand corner of the screen. Check to make sure that the proper time shows on the screen. If it does not, do the time change again until you have the proper time. You can now turn the monitor back off if you desire to save power and monitor life.
2 Programming Name & Password Changes on the Amanda Voice Mail System At the Amanda Voice Mail / Auto Attendant computer: Make sure that the monitor is turned on. While holding the ALT key press the letter U for Users. (or the letter M if U doesn t work.) You will be asked for a password. The password is AMandA and IS case sensitive. The first 2 and the last letter must be capitalized and the and must be lower case. Type in the password and press the ENTER key. You will now be in the user field of the mailbox USER screen. This will show in the upper right hand corner of the screen. Type in the mailbox number, that you must change, and press the ENTER key. If the mailbox exists it will come up on the screen. (If it does not exist a template will be started to allow you to create a new mailbox. This is one method of creating a new mailbox.) You are able to maneuver through the various fields using the arrow keys, the ENTER key, the HOME key to go directly to the User ID field, and the END key to go directly to the last number field of the personal mailbox menu. You will be able to change values in the fields by entering appropriate values OR by pressing the spacebar to toggle certain preset values (ON/OFF etc.). Press the down arrow to get to the SECURITY CODE field. Type in a new numeric security code. (to reset their password) You will save this new password after changing the name fields. Press the down arrow several times to get to the Name 1 field. Type in the new first name. Press delete if necessary to remove any extra unwanted letters. Press the down arrow once to get to the Name 2 field. Type in the new last name. Press delete if necessary to remove any extra unwanted letters. These 2 fields are the criteria that the voice mail uses to locate the mailbox owners in the directory. While holding the ALT key press the letter S for Save. If you have not made any accidental changes in the course of performing the above, Press Y to confirm that you wish to over right the existing information. Press the HOME key, to allow you to type in another mailbox number to change. When finished, press the ESCAPE key to go back to the MAIN user screen. This will show in the upper right hand corner of the screen. You can now turn the monitor back off if you desire, to save power and monitor life.

7 Programming a single button transfer to voice mail on an IMX or ESP system. (Used for Horizon Health System off-site voice mail transfers.) There are many different versions of software on the IMX and ESP telephone systems. The following instructions may not work on your system if the software issue of your telephone system does not allow this feature. On the 12 and 24 button phones are 10 SD buttons. They are labeled SD0 through SD9 and are to the right of the Line keys. To manually program an SD button on a 12 or 24 button phone to use as an automatic transfer to voice mail button: With the handset left in its cradle, Press the SD button that you wish to program for transfer to voice mail. Press the SPCL (or the infinity sign button if there is no SPCL button) once. Dial 9 Press the SPCL (or the infinity sign button if there is no SPCL button) three times. Dial Press the Line 1 button. Mark this button as a voice mail transfer button. In speed dial programming: Pressing the SPCL key once inserts a FLASH. Pressing the SPCL key twice inserts a short PAUSE. Pressing the SPCL key three times inserts a medium PAUSE. Pressing the SPCL key four times inserts a long PAUSE. To use this button: While talking to a caller that wishes to leave a message in voice mail, Press the SD button that you programmed and marked for this transfer. (It will dial the flash and telephone number for you.) When you hear the voice mail greeting, dial the 4-digit mailbox number to put the caller into. Hang up. Note: Keep these instructions by the phone in case you need to reprogram the button. If you accidentally press this programmed button once when you are not on a call, the telephone system will think you wish to reprogram the button and may default it. You can always reprogram it. Tip: If you press an SD button twice, it will display on the screen of your telephone the number that is programmed on it. If you accidentally press the button when you are not on a call, just press it a second time right away. The second press asks the telephone system to allow you to inspect the button instead of program it. You can also press it twice to see what it is programmed for.
