1 REGISTRATION GUIDE Thank you for your interest in attending the Engaged Scholar Symposium (!) The following pages include how-to instructions for how to complete your registration form and payment using the epay system.? For questions, concerns, or changes in your registration, contact the UTRGV Office of Engaged Scholarship & Learning using our online form ( Please review our Registration Rates page for details on our Refund Policy. REFUND POLICY Cancellations or modification requests should be submitted to using our online contact form no later than Friday, March 30, To help us locate your payment, please include your order confirmation number. Please allow up to 2 months after ES 2 for processing. After the refund deadline, the UTRGV Office of Engaged Scholarship & Learning will not be able to process reimbursements. 2 STEP 1: REGISTRATION FORM Review our Registration Rates and Policies at Select the Register Now button to proceed to the Registration Form or select. Each individual who will be attending should complete the Registration Form. Registrants will have the option to also include up to 2 Family Passes at part of their registration (Family Passes are not sold separately; Children under 10 may check-in at the door and require parent/guardian supervision). At the end of the Registration Form, instructions will be provided based on how your payment will be completed (if applicable), either: 1) Group payment Proceed to Step 2A. 2) Individual payment Proceed to Step 2B. STEP 2A: GROUP PAYMENT COORDINATION In the registration form, you must indicate group payment option and provide the name and of the individual who will be processing the payments for your group. Once the registration form is completed, a curtesy will be sent to you and the individual who will be processing the payments for the group. This will contain key information for engaged@utrgv.edu. Please ensure that your payment is processed within the deadline, March 30, STOP: Do not proceed to additional steps. Contact engaged@utrgv.edu. STEP 2B: INDIVIDUAL PAYMENT, NAVIGATE TO TICKET After completing the registration form, you will be provided a link to pay your registration fees. Verify that the STEP 3: LOGIN OR CREATE PROFILE Next, you will be redirected to a login page. 1) First-time users of EPAY system, please click on New Customer Registration. Proceed to Step 3A.

3 2) Returning UTRGV EPAY users, login using your existing EPAY account. Proceed to Step 4. STEP 3A: CREATE A NEW CUSTOMER PROFILE (NEW EPAY USERS) Please fill-in your information and click o Create Profile. Use the which you provided in your registration form. If an organization, such as your university, will be paying for your registration fees, please list your organizatio address, in lieu of your personal mailing address. For example, in the address textbox, list Best School in Texas, 123 Excellence Road. (This is important so that the system can generate a registration receipt that shows your organization, once your registration is complete.) STEP 4: REVIEWING YOUR SHOPPING CART Next, you will be redirected to your shopping cart. Review your cart, verifying that the ticket type is correct and your is listed exactly as provided in your registration form.

4 STEP 5: CHECK OUT SHOPPING CHART Click o view Purchase & Checkout to see payment options (image right). A snapshot of your shopping cart will be show with a dropdown questions allowing you to select your preferred payment method (descriptions below): 1) Credit Card/Check Proceed to Step 5A. Acceptable credit cards include VISA, MASTERCARD and DISCOVER. Please note that the system has a protective measure which will not allow for an individual to submit more than 1 payment of the same amount on the same day using a credit card. 2) Purchase Order Proceed to Step 5B. Purchase orders are a convenient way for universities and groups to complete group registration. On epay system, indicate Purchase Order as payment method and submit form. Then, a confirmation will be sent and will serve as the quote. Submit quote to your organization's accounting office to create a purchase order. This purchase order should be uploaded via your epay account to the form by Friday, March 30, Invoices will be issued by UTRGV Office of Engaged Scholarship & Learning staff on/after Monday, April 2, Payment must be remitted no later than 30 days after the date on the invoice. Failure to pay by this date may affect your organization's ability to register for future events organized by the UTRGV Office of Engaged Scholarship & Learning. STEP 5A: PAYMENT WITH AN ECHECK/CREDIT CARD Next, select the appropriate tab at the top (descriptions below) and then enter payment details. 1. ECHECK is1 st tab that shows the green check rectangle. 2. VISA is 2 nd tab that shows the VISA card icon. 3. MASTERCARD is 3 rd tab that shows the MASTERCARD card icon. 4. DISCOVER is 4 th tab that shows the DISCOVER card icon. Please verify your payment information for accuracy, then click on the Pay Now button to process your payment. Wait for payment to be processed. Do not hit return or refresh the page. Your payment will be applied immediately.

5 STEP 5B: PAYMENT WITH A PURCHASE ORDER PART 1 PART 2 Your registration receipt will be available for download and also sent to your (example below). Please submit the registration receipt to appropriate office at your organization, so a purchase order may be created. PART 3 Once your organization provides you with the purchase order, please log in using your EPAY account and upload the purchase order no later than Friday, March 30, UTRGV Office of Engaged Scholarship & Learning staff will issue invoices on/after Monday, April 2, Payment must be remitted no later than 30 days after the date on the invoice. Failure to pay by this date may affect your organization's ability to register for future events organized by the UTRGV Office of Engaged Scholarship & Learning.
