3 Logging In Before you begin The Business Principal will need to conduct the initial login and setup of the Business Master User. Step 1: Enter your current username. Find the Online Banking login near the upper right corner of the SalalCU.org homepage. Locate the received by the Business Services Support team containing your account information and Master User login ID. A separate will contain your temporary Online Banking password. Step 2: Enter your temporary password. Your temporary password will be system generated and should be entered exactly as it appears in the . Do not add any spaces to the beginning or the end of the password as this will cause it to be rejected. Enter your temporary password, then tap or click [Log in]. Step 3: Create a new password. Your new password must be at least eight (8) characters in length and contain at least one (1) of each of the following: Version 1.0 (11/23/2018) Page 3

4 One lowercase letter One uppercase letter One number One special character such $ * _ - =.! ~ The colored bar along the bottom of the password field will change to GREEN when the password satisfies the rules listed above. Then tap or click [Continue]. Step 4: Choose security questions. Once you have set up your new password, you will be asked to choose your security questions. These questions are used to help verify your identity when you log in from an unfamiliar device or when performing certain actions within online banking. When you are finished selecting your questions, tap or click [Continue]. Step 5: Confirm your primary and phone number. Enter the primary and phone number Salal currently has on file for your business. Then select your time zone and click [Continue]. Step 6: Get started with the Mobile and Online Business Banking Platform. You can finish filling out your profile information, view your accounts and balances, or start customizing your new Mobile and Online Business Banking account. Version 1.0 (11/23/2018) Page 4

5 Online & Mobile Banking Dashboard The Dashboard is the main landing page for Online Banking. It was designed to provide an overview of the balances and activity for the membership and includes several panels of information. Important and time-sensitive notifications will appear directly beneath the Dashboard heading and will offer direct links to approve transactions, make payments, or view specific accounts. My Accounts The My Accounts panel provides balance information for the accounts under the Business Membership, affiliated shared accounts linked by Salal Credit Union, and external accounts at other financial institutions linked through Online Banking. Accounts are grouped by type: Business Accounts (checking, savings, and CDs) Business Loans (credit cards, lines of credit, and commercial mortgages) and External Accounts. A legend sits along the bottom to identify important symbols. Version 1.0 (11/23/2018) Page 5

6 Clicking any of the listed items will take you into the Accounts widget, which provides transaction details and additional information for each account. More information on the Accounts widget can be found here. Link External Accounts You can link accounts you have outside of Salal with this tool. This feature will allow users to see the transaction history and balance information of their accounts outside of Salal. This feature does not allow the user to move funds between these accounts. To facilitate a transfer of funds, refer to the section on the Transfers widget. 1. Click [Get Started]. The Aggregation Disclosure appears the first time you link an external account. 2. Click [I Agree] and [Continue]. The Link Accounts screen appears. 3. Select the correct institution from the list or type the institution name in the Search field and hit [Enter] to search. 4. Verify the account by entering the user ID and password for the external account s online banking and click [Submit]. The account is verified upon successful login. Version 1.0 (11/23/2018) Page 6

7 Recent Activity This panel displays on the right side of the dashboard and contains information about recent activity for this Business Membership. You can customize this section by selecting the gear icon and choosing how many days of information will be displayed and which activities it will show. 1. Click the Settings icon to the right of the Last 7 days section. The Dashboard Settings window appears. 2. From the drop-down, select how many days of recent activity to show: 1, 3, 7, or Check each box for the activities you want to be displayed. 4. Click [Save]. Upcoming Activity This panel shows upcoming activity on accounts and loans for this and other linked Business Memberships. This panel is also customizable with similar options steps to those listed above. Accounts The Accounts widget provides greater detail on the balance information and transaction history for each account, loan, and external account displayed on the dashboard. For a membership with multiple accounts, each is assigned a different color to help easily identify them in the list. The options on this list will be in the same Business Account, Business Loan, and External Account groupings as they appear on the dashboard. Version 1.0 (11/23/2018) Page 7

8 Click on any item in the list to see detailed transaction history, balance information, and account details. Clicking the pencil icon by the account name allows the user to create a nickname for this account (how it appears on the list), the color it is assigned, and gives the option to hide this account from the list entirely. These tabs allow the user to see the transactions for the account, show the full 13- digit account number for electronic payments and deposits, and simple analytics showing balance and spending information. These options allow the transactions to be printed or downloaded in various formats for use in systems outside of online banking. In addition, there are advanced SEARCH, FILTER, and SORT functions at the top of the transactions window that allow the user to identify specific transactions for research, analysis, and reconciliation purposes. Transfers The Transfers widget allows for the movement of funds between accounts in the Business Membership, external accounts, or other Salal members. The Master User, and roles with the proper permissions, may designate what accounts, loans, and external accounts appear on the From Account and To Account drop-downs for additional control of this functionality. Classic tab The Classic tab contains most of the functionality available in this widget. In this section the user may complete a variety of transactions. Version 1.0 (11/23/2018) Page 8

9 Select the From Account and To Account fields using the available drop-downs. Only the accounts, external accounts, and loans enabled in the user s role will appear on these lists. Roles with applicable permissions may designate other Salal members to receive funds transfers in real-time. To do so, the user will need: The legal business name as it appears in Salal s core system. DBAs will not be accepted by this feature. The business s 6-digit member number. The account ID the funds will be credited. Once set up, this business will appear in the To Account drop-down for future use. An external account added via this link places it in the To Account drop-down. This feature will not permit transfers FROM an external account. Recurring transfers can be set up using the Frequency drop-down. These transfers will occur on the designated schedule until they are canceled within Online Banking. Version 1.0 (11/23/2018) Page 9

10 The external account will receive two small trial deposits within three (3) business days of enrollment. Once these amounts are verified, use the pending external account enrollment notification on the dashboard to enter the amounts and finalize the linkage. You have a limited number of attempts to provide this information. If you run into issues, contact Business Services Support. External accounts are displayed on the dashboard in the category below. You can click, modify, and nickname external accounts to help identify them in the My Account listing. Once a transfer has been scheduled, it will appear in the Next 30 Days Scheduled section on the right. Scheduled tab The Scheduled tab shows a summary of all transfers in the system for the next 90 days. Dots appear on the calender for days a transfer is scheduled to withdraw. Details on the transfers appear along the bottom and can be sorted and filtered as desired. Version 1.0 (11/23/2018) Page 10

11 The pencil icon allows you to edit the amount and date of a transfer that is still in the scheduled status. The trash can icon will cancel a scheduled transfer. This will remove it from the Scheduled tab. History tab The History tab will show all transfers that have posted to the membership and will reflect on the transaction detail. Electronic Bill Pay Electronic Bill Pay is an elective service that allows businesses to generate check and electronic payments. This service allows the Master User to impose additional restrictions and customize permissions for end-users in addition to those granted by the user s role. When Bill Pay is first launched, you will be asked some quick registration questions, at which time you ll be informed the account is pending approval. Once the request has been approved by Salal Credit Union, you will be taken to the dashboard the next time you access the Bill Pay tab. For ease of use, we recommend clicking the link at the bottom of the Bill Pay dashboard to open a new tab. Be sure you have your pop-up blocker disabled or permit this window to open: Version 1.0 (11/23/2018) Page 11

12 The Bill Pay dashboard is the main navigational center of this service. The links across the top allow the user to access the main sections, while summary information about payment history and scheduled payments can be found in the sections below. The Scheduled to Process section details the next 30 days of future-dated payments that were either scheduled manually for a future date or were set to recur automatically. Filtering can be applied to reflect just the user s payments or those made by all users for this membership. The History section details payments that have already processed within the last 30 days. The Attention Required section details payments that require approval before they will be sent for processing. The Master User of Online Banking can determine which sub-users are given approval authority in the Options tab detailed below. Payees The Payees section allows users with sufficient permissions within the Bill Pay system to add or modify payees. The Payee dashboard can be found by clicking the Payees button at the top of the screen. This dashboard allows you a variety of options to manage your payee profiles within Bill Pay. Adding a New Payee When the Add a Payee button is selected, the first step is to identify whether the payee is a company, an individual, or a bank or credit union. Version 1.0 (11/23/2018) Page 12

13 Pay a Company A Company payee profile is shown below. Enter the business s mailing address when completing this section, as this payee method will place physical checks in the mail to company payees. If you would like to send an EFT or ACH payment to a business, contact your account manager to discuss whether Business ACH would be a good fit. Pay an Individual When you select the Individual option, you will first be prompted to indicate whether you d like to send the payment electronically or by check. If you select electronically, you must enter the person s bank routing number and account information. Version 1.0 (11/23/2018) Page 13

14 If the mail a check option is selected, it will ask for information similar to the Company profile above. Be sure to enter the mailing address of the individual in the address section. Once you have added the information for the payee, select how you d like to receive a 4-digit security code. This will only be requested once per payee. IMPORTANT: When setting up a new payee profile, the system may temporarily block the issuance of activation codes due to recently updated contact information. If this occurs, contact Business Services Support for assistance. View Payees Once a payee has been added to Bill Pay, the View Payee button on the Payee Dashboard allows you to view, edit, and delete your payees. The method of payment (electronic vs. check) appears next to each payee s name. Version 1.0 (11/23/2018) Page 14

15 Manage Categories This is an optional feature that allows for the creation of payment categories to which payees can be assigned. This allows for the quick identification of payees of a particular nature, such as Utilities, Contractors, Vendors, etc. Use the [Add New Category] link at the bottom of the Manage Categories screen to use this feature. 16 Payments The Payments dashboard can be accessed by clicking the Payments tab at the top of the screen. This dashboard allows for the scheduling of new payments along with the review of scheduled and historical payments. Single Payment To generate a one-time payment to a payee, select [Single Payment]. The options for a one-time payment will be shown below: To pay a Company payee, select [For a Bill]. To pay an Individual payee, select [For an Individual]. Once you ve selected an option, a list of payees of the selected type are presented. To schedule a payment: 1. Select the [Payee] on the left. 2. Add the amount to be paid and the date the transaction is to occur. 3. Click [Submit]. An estimated arrival date will indicate when the payee should expect to receive the check or the ACH deposit, depending on the method of payment in the payee s profile. 17 Recurring Payment Select [Recurring Payments] for payments of the same amount that post on a regular interval. In addition to the steps above, options for the frequency will be presented when scheduling recurring payments. To edit or cancel a recurring payment, see the Scheduled Payments section below. IMPORTANT: Recurring transactions can generate Non-Sufficient Funds (NSF) fees if the funding account cannot accommodate a recurring payment as scheduled. Version 1.0 (11/23/2018) Page 17

18 Scheduled Transactions This section shows all pending transactions (single and recurring) that have not yet been executed. This allows payments to be reviewed, edited, or stopped. Options The Options dashboard can be accessed by selecting the Options tab at the top of the screen. This dashboard allows users with applicable permissions to edit various settings within the Bill Pay system. e-notifications The Bill Pay system can send a variety of customizable alerts in a variety of categories. Popular management alerts in the Events category include: When a transaction requires approval When a transaction exceeds a specified threshold When a new payee has been activated or an existing payee has been modified Version 1.0 (11/23/2018) Page 18

19 Manage Users This section allows the Master User and sub-users with applicable permissions to edit the permissions of other Bill Pay users. To access the permissions panel, select [Edit Permission Setting] to the right of the user s name. Once the user is selected, their permissions can be updated by clicking [Edit User Permissions] at the top of the section. The permissions indicated below are frequently considered management-level and should only be given to users with suitable authority. Version 1.0 (11/23/2018) Page 19

20 edocuments This widget allows the Master User to enroll the membership in electronic statements, to access archived statements, and to access tax documents. To enroll in electronic statements, click [Subscribe] under the Overview tab. You will be asked to accept the Subscription Disclosure before the UNSUBSCRIBED indicator turns green and says SUBSCRIBED. To access statements, click the Statements tab and they will be listed in the section below. Version 1.0 (11/23/2018) Page 20

21 You can click the individual statement and use the Save as PDF or Print This Page options to download them from the system. It is strongly encouraged you download and archive statements regularly as the system will only go back 10 months. Note: You will only be able to view documents on the account you are logged into. 22 Check Services The Check Services widget allows you to place a stop payment or reorder checks if the original order was placed with our vendor Harland Clarke. Stop Payment Once you select New Stop Payment Request, you ll fill out the information requested regarding the check or checks being stopped. You will need to know: The account the check was drawn from The check number The date the check was issued The amount of the check (this must match the check amount exactly to be effective) Click [Search] to identify matching transactions before moving forward. This will identify checks that have already cleared and cannot be stopped. Adding the Payee Name is helpful but not required. Once the stop payment fee has been acknowledged (by click [I Agree], a stop payment will be placed on the check for the next 6 months at which time it will expire and must be manually renewed (if desired). Reorder Checks This allows members who have ordered checks through our vendor, Harland Clarke, to place another order. To begin, you must first select the account you d like to order checks for from the drop-down. As mentioned in the disclosure below, the user must have a checkbook from the previous order for this online service to function properly. Version 1.0 (11/23/2018) Page 22

23 By clicking [Order Checks], the user is taken to the Harland Clarke website where checks of the same type and sequence of the previous order can be ordered by clicking [QUICK ORDER]. An order can also be placed from the vendor s extended catalog by clicking [SHOP FULL CATALOG]. Version 1.0 (11/23/2018) Page 23

24 Quick Order Review the Personalization section to see how the company information will appear on the check. Click [Edit] in the upper right-hand corner to make changes. Select the quantity of checks you d like to order. Amounts will be displayed beneath each quantity. Version 1.0 (11/23/2018) Page 24

25 Common accessories will appear below and can be ordered for the additional charge indicated in the description. The subtotal at the bottom includes the check order and applicable accessory selections. The Checkout screen will have the final order total. The Order Summary screen confirms the order, shipping address, shipping method, and order total. Confirm the shipping address. Click [Edit] (in the upper right corner) to make any changes. Select the desired shipping method. Standard shipping (5-7 business days trackable) is included in the price. The total will be deducted from the account the checks are being ordered for in approximately 14 business days after the order is placed. Shop Full Catalog The full catalog includes all Harland Clarke s offerings arranged in categories on the left. Recent orders for deposit slips are noted in the center for quick reordering. 26 Once an item is selected, you can select from the many options available for that product. The personalization represents how the business information appears on the check and should map over from Online Banking. Double-check the personalization to ensure your information prints correctly. 27 Once your selections have been made and you ve clicked [Continue], the summary window allows you to preview your item with your information printed on the front. The PERSONALIZATION section shows how the business info will appear, and the ACCOUNT INFO section will correspond to the account selected from the drop-down at the beginning of the check reorder process. Click [Edit] to make any applicable changes before adding the item to the cart. Version 1.0 (11/23/2018) Page 27

28 Once you have added all applicable items to your cart, proceed to checkout to verify the shipping address and select your shipping method. For security reasons, this order method will not allow you to change the shipping address. If the address displayed is incorrect, contact Business Services Support. Version 1.0 (11/23/2018) Page 28

29 We strongly encourage you to select a trackable shipping method. Untracked shipping significantly increases the likelihood of an order being lost or stolen. Once the shipping information and an address is entered, click [Order summary] to review your order. This screen has the estimated delivery date, the total amount of the order, and important notes regarding shipping and delivery of multiple items. The TOTAL will be deducted from the account the checks are being ordered for within 14 business days. Version 1.0 (11/23/2018) Page 29

30 If you have not yet placed your first order and would like to use this service, contact the Business Services Support team for assistance. Card Controls This widget allows you to see and control the debit cards issued for the membership. Lock/Unlock Card: This block prevents transactions and can be removed at any time. Daily Limits: Allows a card s purchase, ATM, and authorization limit to be reduced to $100 for the remainder of the day. Travel Notices: You can proactively identify out-of-state or overseas transactions as legitimate by noting travel locations and dates for specific cards. This will reduce the likelihood of the card being blocked for fraudulent activity. When filling out the Traveling to section, you can list multiple cities or counties (separated by commas). 31 Message Center Message Center allows the user to send and receive secure messages to the Business Services Support team. 1. To send a message, click [Compose]. 2. Use the Subject drop-down to select an appropriate subject for the message. 3. Select the subject account in the Account drop-down. 4. Use the Message space to type a message. 5. Click [Send Message]. 6. View any sent messages in the Sent tab. Replies from the Business Services Support team appear in the Message Center and may include attachments and other information. Settings Members can get to Settings two ways: By clicking on their name in the upper right corner and selecting [Settings] from the drop-down. Clicking the widget that says [More.] and selecting [Widget Options]. Profile tab This page shows the following: Full Name The legal name of the business. Nickname This changes how the business name appears in the upper right-hand corner of Online Banking. Time Zone (this is pre-set to the Pacific time zone) If your business operates in a time zone other than Pacific time, you may change it here to ensure your alerts arrive on the proper schedule. Recent Login Activity To show date, time, and browser. Security tab This page allows you to see and modify the following: Security Information - Username and password (not displayed) but both can be modified by clicking on the pencil icon. 32 Two-Factor Authentication You can see all options for your two-factor authentication codes and can modify them. The star indicates your preferred choice. Remembered Devices When logging in, you can choose to remember this device so that you do not have to answer security questions or get a code every time. This area shows approved devices. You can then delete a device if you sell or lose the device. Widgets tab Customize which widget icons appear in the Widgets panel under this tab. 1. To mark widgets as favorites from the Settings page, click the Widgets tab. 2. Click the star to mark a widget as a favorite (up to 5 widgets may be selected). Starred widgets appear in the main list to the left of all Online Banking screens. 3. To reorder widgets for display in the Widgets panel, click [Reorder Favorites]. The Reorder Favorites panel displays. 4. Drag and drop widgets to reorder. 5. Click [Save]. Version 1.0 (11/23/2018) Page 32

33 Contact tab Under this tab you can update your contact information (address, phone numbers, addresses) by clicking the pencil icon next to the corresponding contact information. To receive Online Banking alerts to your mobile phone, be sure the I would like to receive SMS text messages box is checked in the Mobile Phone section. Note: The phone will need to be confirmed before this function is fully enabled. Follow the instructions to complete the SMS activation process. Version 1.0 (11/23/2018) Page 33

34 Notifications tab Using the Contact information in the previous section, you can customize alerts sent to your or mobile device from Online Banking. This allows you to receive regular notices regarding the aspects of your account that matter most to you. To toggle an alert, select the gear icon to the right. Only contact information documented and verified in the Contacts section is eligible to receive alerts. o o symbol denotes an alert is selected for that category. The text message icon denotes an SMS alert is selected for that category. Most alerts require you to select which accounts the alert will be for. Some alerts have advanced parameters depending on the alert type. For example: The Balance Alert will ask you to identify the specific accounts to monitor, along with the low and high balances for that account. If the balance goes outside the established range the system will generate the requested alert. IMPORTANT NOTE: Most alerts are not made in real time. This is to avoid the system overwhelming users with notifications. Version 1.0 (11/23/2018) Page 34

36 Optional and Elective Services Online Banking Packages In addition to the widgets offered above, several elective services are available with Cash Management Online Banking for an additional fee. These have been grouped into Packages, which are detailed below. For pricing, contact your account manager or Business Services Support. Basic Business Package This package includes all Basic Widgets and is offered to non-analyzed businesses at no cost. This is suitable for single-owner businesses that do not need dual control, sub-user, or role-restriction capabilities. Cash Management Package This package includes the Basic Widgets plus the Business Admin widget. This establishes the business principal as the Master User, allowing them to create roles with highly customizable permissions. This package also includes the optional Business Wires widget which allows for online Domestic Wire Origination for an additional monthly fee. This is the default package for all analyzed business accounts. Cash Management + ACH Package The same as the Cash Management package with the addition of the Business ACH widget, allowing the business to perform same-day and next-day ACH Batch Origination. This service requires underwriting and approval by an account manager and is subject to an additional monthly fee. Cash Management + Desktop Scanner Package The same as the Cash Management package with the addition of the Desktop Scanner widget. This highvolume check deposit system allows the business to purchase a desktop scanning unit and process deposits from their office. In addition, businesses enjoy fewer check holds and same-day credit for their check deposits. This service comes with an additional monthly cost and equipment purchases may be required. Ask your account manager for details. Cash Management All Services This all-inclusive package includes all services detailed in the previous packages plus the inclusion of Positive Pay. This service includes three options to protect your membership from check and ACH fraud including Positive Pay ACH, Positive Pay Check, and Positive Pay Payee. When enabled, each allows the business to upload a daily file of approved transactions. If the system detects a transaction that is not on the approved list, the business will be notified and will have until NOON to approve or reject the additional transaction(s). Each service can be enabled separately, and each comes with its own monthly fee. Business Admin This important widget is the control-center of the Cash Management Online Banking platform. From here the Master User (business principal) can authorize transactions, build payee profiles, create roles with customized permissions, assign sub-users their roles and generate login credentials. The guide below is for the Cash Management All Services Package and may include features that do not appear on your platform. If you feel you have been placed in the incorrect package or do not see a widget you should have access to, contact Business Services Support. Version 1.0 (11/23/2018) Page 36

37 Authorizations This section allows the Master User, and users in a role with authorization privileges, to review, approve, or reject certain types of transactions generated by users. See the section on Roles for more information on granting transactional authority. The following widgets are eligible to generate transactions that may require authorization: Business ACH ACH collections and ACH payments Transfers Internal and external transfers Business Wire Outgoing wires Those with Authorization permissions will see pending authorization notifications on the dashboard when they first log in. Various indicators are added to the Authorizations tab inside the Business Admin widget to assist the Master User in identifying all items requiring their review: The total number of pending authorizations will appear next to the Authorizations tab. Each applicable category will have a subtotal of authorizations in that category. The Master User is assigned limits by Salal Credit Union for the size of transaction that can be generated. 38 A history of authorization decisions will be displayed for review. Payees Payee profiles are required for use with the Business Wire and Business ACH widgets. A completed profile must include a Name, Nickname, Contact Info, and at least one payment method. Information entered into the payee profile will map over to the corresponding widget when a payment is made. To add a payee: Click [add a payee]. a. Complete name and nickname fields. (Note: The Nickname field appears first when selecting this payee in the ACH and Wire widgets.) b. Click [Create Payee]. You will be asked to verify your identity when creating new payee profiles. Select payee from list. Click the pencil icon to edit contact info fields. a. Enter all applicable payee info. Addresses are required for business wires. b. Click [Save Changes] at the bottom. 39 Click [Add a Payment Method] and select the method (ACH or Wire) from the dropdown. ACH Complete all required fields (ID Number optional and not included in batch). Routing number for receiving FI will be validated by the system. Wires Routing and account number required. o o o Account Nickname designates how payee appears in Business Wire widget drop-down and is not included in outgoing wire request. Wires require a full address in the Contact Info section. Routing number will be validated for receiving financial institution. Note: Intermediary FI information does not work and should not be used. The Activity tab will hold scheduled and historical payment information for this payee. Roles Roles are highly customizable profiles that govern access to Online Banking. All permissions, access and limits are granted to a role by the Master User. Then, one or more users may be assigned to the role. All users in the same role have the same permissions. Common roles may include: Owner/Partner/Manager All access with Transaction Authorization permissions Bookkeeper/Accountant Read Only Accounts Payable Limited Transactional requiring authorization Those in a role with the Manage Users and Roles permission may add, edit, or delete roles (including their own) as well as add, assign, and delete Users. Master Users should consider carefully before assigning this permission to a role. Version 1.0 (11/23/2018) Page 39

40 To Create A Role: Click [Add a Role] at the bottom of the Role list. a. Fill in the Role Nickname and Description. b. Use the description to define what this role does and what permissions it will have. Once created, click the pencil icon by PERMISSIONS to assign them to this role. Toggling the details icon provides a description of what each permission controls. Permissions The core of each role are the permissions they are assigned. Broadly grouped into categories, the permissions determine the Administrative, Transactional, and Informational access of users assigned to that role. By toggling the icon at the top of the permissions panel, a helpful description appears below each selection. A select all link appears in each section for quick addition of all applicable selections in that category. Certain permissions may be restricted further in the Accounts and Limits sections below. Accounts Once permissions are assigned, scroll down to specify the Accounts and Limits. This allows the permissions above to be selectively assigned to specific accounts, memberships, and external accounts. Every role must have at least one account selected. 41 To assign an account, click [Add Accounts] on the role and choose the permissions that will be assigned to this account. Permissions in this column will apply to the accounts in this assignment. Internal accounts include accounts within the business membership, accounts within other Linked Memberships, and other Salal members added via the Transfers tab External accounts are those linked via the Link External Accounts function on the dashboard or an external account linked via the Transfers widget. Click each selection to highlight them and assign the permissions on the left. Click [Assign Accounts] at the bottom. This process can be repeated as many times as required to assign the proper permissions for this role to the desired Accounts, Memberships or External Accounts. In general, the permissions in green are considered read only and the lowest risk to provide, the permissions in yellow allow limited transactional authority and represent a moderate risk (depending on limits imposed in the following section), and the permissions in red are transactional and the highest risk. 42 Note: The view account permissions govern the ability to see the account or account in the My Accounts section on the dashboard and in the Accounts widget for transaction history. It is recommended this be the default selection for all accounts a role may be given access to. Limits This section defines and imposes various limits to the transactional permissions granted to this role. All limits defined in this section will apply to ALL applicable accounts and accounts selected in the Accounts section above. When deciding limits, be sure the anticipated volume of each transaction conducted by this role is taken into consideration for the time periods listed. When in doubt, the Max Limit (defined below) can always be the most generous to prevent legitimate payments from being made. All applicable transactions within these categories will be governed by these limits. Roles with Authorization permissions can be given three limits: Authorized limit represents the total transaction amount this role can generate in the respective category for the respective period without requiring authorization. Max limit represents the maximum amount this role can generate without receiving an error message from the system. Transactions between the Authorized Limit and Max Limit are sent to a user with Authorization authority for review before they are sent. Can authorize determines the size of transaction from another user this role can review and authorize. Version 1.0 (11/23/2018) Page 42

43 Important note: Only the Master User can authorize their own transactions. Sub-users that exceed their role s authorized limit must get another user, or the Master User, to provide authorization. This section allows the Master User to set specific dollar amounts in the categories defined in the DESCRIPTION column. All limits in this section are subject to the maximum limits Salal Credit Union assigns to the membership (and Master User). These limits will be disclosed on the Online Banking Enrollment form. The Master User receives automatic Authorization Limit and Authorization authority for all transactions up to the membership caps. Users The Users tab allows for the creation and administration of end users. This step can only be done once a role has been created. To begin, click [Add a User] on the left. All sections of this pop-up window are required and will form the foundation for the user s profile. The Username will be used to log in and the address is where the temporary password will be sent. The Role drop-down will display the nickname of the role(s) available. All users must be assigned a role. When done, click [Create User]. Once created, a user can be selected from the list at the left to display and modify their information using the pencil icons on the right. Version 1.0 (11/23/2018) Page 43

44 This is also where a sub-user s password and security questions can be reset. To do so, simply click the pencil icon, indicate how the new credentials will be sent to them, enter a reason (required), and click [Submit]. 45 Elective Services The following widgets represent optional Elective Services available via Cash Management Online Banking, and come with additional monthly and transactional costs. If you would like more information on one or more of the Elective Services, contact the Business Services Support team. Business ACH The Business ACH widget allows businesses to originate NACHA-formatted ACH collection and payment batch files (called templates) through Cash Management Online Banking. This is considered an advanced electronic payment feature and requires familiarity with NACHA codes and formatting. Templates Using the Business ACH widget begins with the creation of a Template. This is a group of payees that account a common characteristic such as payroll, utility payments, vendor payments, etc. The information used to build the template will be applied to all payees added to it. Each Template has the following information: Version 1.0 (11/23/2018) Page 45

46 Template Name How users will identify the Template in the list. Company Name How the payment is identified to the payee (assigned by Salal). Transaction Type This designates the NACHA formatting for the outgoing batch file and may have several options depending on package and permissions including: Payroll PPD (credits) Consumer Collections PPD (debits) Business Payments CCD (credits) Business Collections CCD (debits) Note: Only one type may be selected per template. Access Level allows the Template to be made available to ALL users in roles with ACH permissions or only those with specific restricted ACH Template access. Businesses using NACHA-formatted external batch files can import the file here with setup instructions included by following the show file setup instructions link. Once the template is created it will appear in the list and the Details section will display. This is where a user can change the Template Name, Company Entry Description, Offset Account and Access Level fields. This is also where the template can be deleted. To use a template, the user must first add a payee (or payees) by clicking the Payee tab at the top of the central template window. Only payees previously created in the Business Admin widget with an ACH payment method assigned can be selected from this screen. Clicking the manage payees link at the bottom of the Add Payee screen will take the user to the Payee section of the Business Admin widget to add any payees that might be missing from this list. When at least one payee is added, the template is ready to use. Version 1.0 (11/23/2018) Page 46

47 To originate an ACH batch the user will: Review their limits to ensure they are sufficient. Use the pencil icon to add the dollar amount for each payee. Additional payees can be added to a template using the [Add Once every payee has been assigned a payment or collection amount, the template is ready to review and submit. The Summary screen allows the option to make the origination recurring, sets the delivery date, and notes the cutoff time for same day or next-day origination. If the submission is successful, the user will see a large green bar appear at the top of the screen confirming the submission was successful. If the submission was over the user s Authorization limit but under their Max limit, they will receive a blue notification at the top of the screen advising them the request has been sent for approval. If the submission was unsuccessful, the user will receive a red bar across the top with the reason it was unsuccessful. The template will remain exactly as it is for use again at a later date, including the last amount originated to each payee. Version 1.0 (11/23/2018) Page 47

48 Scheduled The Scheduled tab within Business ACH allows the user to see the status of submitted ACH templates that have not yet cleared the account. The calendar view places a small green dot on every day an ACH template is scheduled. The status bar indicates if a submitted ACH Template is active or requires authorization. An ACH that appears under Scheduled Templates and has not yet been processed by Salal Credit Union is eligible to be canceled and removed from the daily batch file. History The History tab provides details on ACH batches that have cleared the designated accounts. Version 1.0 (11/23/2018) Page 48

49 The summary row lists the date, batch total, type of batch, and status. Click the arrow to review additional details. The middle-section of the batch shows the funding account, the user that submitted the batch, and additional details on what the batch contained. This section lists individual payees and the amounts that were sent to them. Business Wires The Business Wires widget allows businesses to send domestic wires electronically via Online Banking. Before the Business Wires widget can be used, a payee profile with a wire transfer payment method must first be created in the Business Admin widget. Once a payee profile has been established, sending a domestic wire payment can be accomplished in just a few simple steps. Under the Classic tab in the Business Wires widget. 50 Fill out the Payee Details section. The Payee Nickname will appear most prominently in the Payee drop-down. The Account Nickname from the Payment Method will appear in the Payee Account drop-down. The Funding Account represents where the funds will be withdrawn from. The Category field is for use with the optional budgeting features of Online Banking. A summary of the information selected will be displayed in the Payment Confirmation section. The amount can be entered up to the limits established for the role. These can be reviewed by clicking the Show Limits link to the right of the Amount field. The Deliver By date represents the date the domestic wire will arrive to the payee s financial institution. 51 Bank holidays cannot be selected when scheduling future-dated wire requests. The cut-off time will appear beside the Confirmation button for same-day credit of a domestic wire. Requests received after cut-off will offer a delivery date beginning the following business day. IMPORTANT: Electronic wire submissions will be processed by Salal Credit Union as soon as possible after they are submitted, providing a very small window of opportunity to cancel a submitted wire request. Scheduled The Scheduled tab within the Business Wire widget allows the user to review currently scheduled business wire payments, review wire details, or cancel a wire payment. The calendar will show a green dot on the dates a wire payment is scheduled for. Clicking on the date takes the user to the corresponding wire in the Scheduled Payments section. The Scheduled Payments section lists all currently scheduled wires, including payee nickname and amount. Clicking the View Details button will display a full summary of the wire including: Delivery Date Version 1.0 (11/23/2018) Page 51

Only wires in scheduled status can be canceled. History The History tab will show the final disposition of all wire requests for the membership. Each wire will show the date it was scheduled for, the payee, the account it was drawn from, the amount, and one of three possible statuses: Succeeded (green) The wire was received and sent to the beneficiary. Rejected (red) Salal Credit Union rejected the wire request. Canceled (orange) A user with applicable permissions canceled the wire. The View Details button provides a summary of the information contained in the wire along with the status. For wires that are canceled or rejected, there will be a section for a brief description explaining why. The Wire Payment Details section will serve as wire confirmations for all electronic wires.
