1 3.0 Record Book Functionality by User 3.1 Student Login Training Guide - Department of Accountancy, University of Kelaniya To login with the student credentials click on Student icon which is shown below in (Fig 3.1). Fig Student Login selection Once you click on the Student login, the selection will be redirected to a page which is made clear in below (Fig 3.2). then type your username and password in the corresponding fields and click on Login. 2 3.1.2 Student Home Once you have logged in successfully, you'll be redirected to your home page which appears as follows in (Fig 3.3). Fig Student home page Here you can edit your details by clicking on the edit icon on the top right side corner of the student details area (Next to Student Full Name). If you click on edit icon, a pop up box will appear to fill/edit your details. Which is made clear in below screen (Fig 3.4). once you Add/ Edit your details then click Save option. 3 Note: Please note that Reset button only reset the values to it's last saved state, at the same time if you click on the close option,that will close the pop up without saving the data automatically. The Browse button on the student home will provide the ability to add/change image of the student. Click on the My Record Book menu item on the Left menu and you'll be redirected to a page as follows (Fig 3.5) which contains all the record book related operations. 4 3.1.3 Fill Record book Depending on the current date there may be two buttons for filling record book in each semester. Click on the required semester on Fill Record Book area which you want to add daily records. for an example: Semester 1 or Semester 2. if you click on a Semester button, you'll see the following page (Fig 3.6). Fig Display of Record book filling options In this page you can create a week with maximum seven days to add daily records. And to create a week in the previously selected semester, you must select the week start date. At the same time Week end date will be automatically set by the system which one is the 5 th date starting from the selected start date. If there any problems related to creating the week will be notified as an error message. Note: you can't overlap two weeks. Significantly You can Delete a week in this page which is not approved by the training supervisor. If a supervisor has given the approval for a week you can't able to edit the week or daily records of the week. However, if you go with the Edit Week button, you will be able to view daily records of the week whether it has been approved. Here you can check weekly status, whether week has sent for the approval training supervisor approval. Once you have created the week successfully, you'll be notified with a success message and will be redirected to a page (Fig 3.7) as follows. 2 3 P a g e
5 Fig Display of Record book weekly Summary In here you can add week common details like weekly ICT usage or else weekly specified tasks as well. Once you add week common details, clicking Save button on top to save the data. In here you can check the week details at the top along with training supervisor approval. Then You can generate weekly summary as PDF format if you wish. and if you fill all the days with daily records as subsequent section, if that all the required information of the week are fulfilled, you can submit the week for training supervisor approval by clicking Submit Weekly Summary 2 4 P a g e
6 for Approval. Training Guide - Department of Accountancy, University of Kelaniya If you want to Add/Edit daily records of a day, click on the corresponding View Record button. Here You can indicate completion status for each day accordingly, which is made clear in below (Fig 3.8). Fig Display of Record book Daily Summary section Here you can add one or more records for a day by simply click on the Add Record button. Once you click on this button you'll see a record block (Fig 3.9) as follows. Fig Display of Record block 2 5 P a g e
7 Starting from the top left corner you should fill the record block accordingly. Here there is a facility called text editor for each record block which you can use as the description of the works done. also you can add many records for a day as you wish, and delete records by clicking close button on the top right corner of the record block. Note: The deletion will be only allowed if the training supervisor has not approved the corresponding week of the day. Once you have filled out all necessary information, click on the Save button to save your daily data. And there is an opportunity that you will be notified related errors and successful feedback as well. You can repeat the preceding steps to complete weeks of the semester. Once you complete all the weeks, then you can get the training supervisor approval. 2 6 P a g e
8 Training Guide - Department of Accountancy, University of Kelaniya Semester Summary In the Record book of the student, he/she can view semester summary by clicking corresponding semester button in the View semester summary data area. Once you click on a semester button you will see below shown Fig (3.10). Fig Display of Semester Summary 27 Page
9 There are three tabs in this session; which are following, Semester Summary Training Supervisor Report Acadamic Supervisor Report In Semester Summary tab, here you have all types of summary reports corresponding to the selected semester. Also here you can access a PDF report of the semester summary by clicking Generate Semester Summary Pdf button. If you have completed and got the approval for all the week in the semester, you can submit semester for the training supervisor approval. Else if you're trying to submit a semester with pending or rejected weeks, you are not able to proceed with the operation also the same time notification error will be appear. Finally, if you desire to submit the semester for training supervisor approval, click on the Submit Semester Summary for Approval button. 2 8 P a g e
10 Training Guide - Department of Accountancy, University of Kelaniya Master Summary In the Record book of the student, he/she can view master summary by clicking master summary button in the View master summary data area. Once you click on that you can access following session, which is made clear in below (Fig 3.11). Fig Display of Master Summary In Here you can see all the summaries related with both semesters. Also there is a facility that you can check the final grade obtained for the internship. 29 Page
11 And you can convert the over all Master Summary as pdf format by click on Generate Master Summary Pdf button Case Study In the student record book you have the case study on Fill Other Data area. Click on that button and you'll be redirected to a page as follows (Fig 3.12). Fig Display of Case study Note: Here the student is a responsible person to submit the case study to training supervisor. In order to enable/disable the edit mode use the switching facility just above the editor. Once you edit the case study to make sure you save the changes which is done by you. Then you can submit case study for training supervisor approval or keep saved by sending it in a later time. If 3 0 P a g e
12 you send the case study for training supervisor approval, the status Case Study Submission at the top will be changed to Yes, also the submission date will be displayed next to it Skills Evaluation In the student record book you will check that the skills evaluation on View Master Summary Data area. 13 Here You can fill out your skills evaluation once both semesters are completed. Then the training supervisor can place an overall comment on your skills. here also you can generate it as a PDF as well. 3 2 P a g e
