5 Get started Welcome to your messenger for secure communication with your colleagues or other users invited as guests by your organization. Here, you'll learn all you need to know to get started with If you come across problems that this guide can t help you solve, please contact your administrator. You'll find their details in your invitation . System requirements for the app Below, you'll find the minimum system requirements for running the app on an Android phone or an iphone: Requirement ios Android OS x Screen size 4-inch display 4.3-inch display Orientation Recommended HD space Portrait only (except for preview of attachments) 50 MB app 1 GB personal data Portrait only (except for preview of attachments) 50 MB app 1 GB personal data The app has been tested and verified on the following Android smartphones and iphones: Device OS LG 4 Android Samsung Galaxy S7 Android 7.0 Sony Xperia XZ Android Google Pixel Android 8.1 iphone 5 ios iphone 5s ios iphone 6 ios iphone 7 Plus ios With other devices, you may - in exceptional cases - encounter minor functionality or display issues even if they fulfill the above-mentioned minimum requirements. So, please use our free trial period in order to test on the devices you're using in your organization. We re not officially supporting tablets at the moment: You re welcome to give it a spin (and in many cases, this will work fine), but unfortunately, we won t be able to take care of bugs you come across. 6 Recommended browsers for ginlo websites For our websites " and "work.ginlo.net", we recommend that you use the latest version of one of the following browsers: Chrome Safari Firefox Internet Explorer 11 Edge Chrome for Mobile Safari mobile version Android default browser Supported languages The app, ginlo Team Manager as well as our websites " and "work.ginlo.net" are available in English and German. More languages are planned. Navigation in The main navigation menu gives you easy access to all the modules offers. In Android, you find it behind the icon placed in the top left corner of your app. In ios, you find it at the bottom of a screen. Note: In ios, you can not only use the bottom navigation to navigate between modules, but also to navigate within a module: From any subpage, tap the module icon to return to the module's overview page. On the overview page, tap the module icon to quickly scroll back to the top of the page. Permissions requires To provide you with the full functionality, needs a number of permissions on your device: Image gallery: Required to add photos or videos to a conversation. Camera: Required to take a photo or video from within to add it to a conversation and to scan the QR code to register with Microphone: Required to record a video or voice message from within to add it to a conversation. Notifications: Required to send you notifications, e.g. when you've received a new message. Page 6 of 31

7 On devices running ios or Android 6.0 and newer, will ask for a permission only when you want to do something that requires this permission. You can also disable permissions you've granted. Older Android versions require you to grant all permissions to be able to install the app. Install the app On your Android smartphone, go to the Play Store, and install the app. On your iphone, go to the App Store, and install the app. Tip: You can find a direct link to the app in the invitation . Activate your account To activate your account your administrator created for you, you'll need your invitation . Note: Make sure your smartphone has a stable internet connection during the entire process. To activate your account: 1. Open the invitation on your computer. 2. Open the app on your smartphone. 3. In the app, tap Activate Your Account, and scan the QR code displayed in the invitation . Note: To scan the code, please allow the app to access your camera. 4. You can now complete your account setup (see also "Complete your account setup" on page 7). Complete your account setup 1. Set your account password. Tip: There are no password rules; however, below the entry field, you find a few hints of what makes a password secure or insecure. 2. Tap Continue. now generates a key for you. It s used to encrypt all your messages. 3. Check your personal data. If there's e.g. a typo in your name, please contact your administrator. 4. Tap Get Started. You're all set is up and running! 5. What do you want to do next? We recommend you create a backup of your key. You'll need this, e.g. if you lose your smartphone and want to set up on a new device. To create a backup, tap Security Preferences. Then tap Create Key Backup, and follow the instructions on the screen. (You can also do this later in Settings). To start exploring straight away, tap Let's Dive In. Page 7 of 31

8 Conversations With you communicate securely with other users in your team, both in one-to-one and in group conversations. Start a one-to-one conversation You can start a one-to-one conversation with all other users in your team. You'll find them in your Contacts. Note: If you're a guest user (see also "Users labeled as "Guest"" on page 18), you can only start new conversations with users that have previously started a conversation with you. To start a one-to-one conversation: 1. In the Conversations module, tap to start a new conversation. 2. Select a user you want to chat with. 3. Type your message and send it. In Android, tap. In ios, tap Send. Your new conversation is shown on top of all conversations in the overview. Start a group conversation You can start a group conversation with all other users in your team. You'll find them in your Contacts. Note: If you're a guest user (see also "Users labeled as "Guest"" on page 18), you can only start new conversations with users that have previously started a conversation with you. To start a group conversation: 1. In the Conversations module, tap to start a new conversation. 2. Tap New Group Conversation. 3. Select the users you want to chat with, and confirm. Tip: If you have many contacts in your list, you can search for a specific contact (see also "Search contacts" on page 17). In Android, tap. In ios, pull down to reveal the search field. 9 4. Enter the name of the group conversation and confirm. 5. Type your message and send it. In Android, tap. In ios, tap Send. Your new conversation is shown on top of all conversations in the overview. All participants see the conversation in their conversations overview. Check the status of a message The symbols displayed next to the messages you wrote show their current sent status: / Sending the message The message is being sent to the server. If this status persists for more than a couple of seconds, this may indicate a connection problem (e.g. you've lost connection to your wi-fi). Your message will be sent as soon as a connection is re-established. Message sent to the server The message has arrived on the server. From there it's being distributed to the recipients' devices. Currently, there's no separate indicator showing that a message was delivered to or read by the recipient. Sending the message failed The message could not be sent. Tap the symbol to resend the message. Add attachments to a conversation lets you add images, files, videos, and voice messages to your conversations. Send an existing image 1. In the Conversations module, open the desired conversation. 2. Tap and then Image. 3. Select the desired image from your device's image gallery. A preview is displayed. 4. Tap the checkmark icon to send the image. Take a photo and send it 1. In the Conversations module, open the desired conversation. Page 9 of 31

10 2. Tap and then Take a Photo. 3. Take a photo. A preview is displayed. 4. To discard the photo and take a new one: In Android, tap the back button. In ios, tap Retake. 5. To send the photo: In Android, tap the checkmark icon. In ios, tap Use Photo. Send an existing video 1. In the Conversations module, open the desired conversation. 2. Tap and then Video. 3. Select the desired video from your device s image gallery. A preview is displayed. 4. To send the video: In Android, tap the checkmark icon. In ios, tap Choose. Take a video and send it 1. In the Conversations module, open the desired conversation. 2. Tap and then Take a Video. 3. Take a video. A preview is displayed. 4. To discard the video and take a new one: In Android, tap the back button. In ios, tap Retake. 5. To send the video: In Android, tap the checkmark icon. In ios, tap Use Video. Send a voice message 1. In the Conversations module, open the desired conversation. 2. Tap to start recording. Page 10 of 31

11 3. When you re done, tap. 4. To listen to your voice message, tap. 5. To discard it, tap. 6. To send it, tap. Send a file In addition to photos, videos, and voice messages, you can also send and receive files, like PDFs, Excel sheets, or Word documents. To send a file: 1. In the Conversations module, open the desired conversation. 2. Tap and then File. 3. Select the desired file from your device. 4. Tap Send to confirm. Open an attachment Attachments with a size of less than 3 MB are automatically downloaded to your device so you can immediately open them in To help reduce mobile data usage and save storage space, attachments with a size of 3 MB or more must be manually downloaded. To do so, just tap. Add participants to an existing conversation If you're the initiator of a group conversation, you can add participants to this conversation. Note: If you're a guest user (see also "Users labeled as "Guest"" on page 18), you can only add users that have previously started a conversation with you. To add participants to an existing conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Tap Add Participants. Page 11 of 31

12 You can browse through a list of all your contacts or search for a specific contact. 3. Tap the participants you want to add. To deselect a participant, tap them again. 4. Save your changes: In Android, tap the checkmark icon. In ios, tap Next. All participants see the conversation in their conversations overview. Note: New participants won't see any messages sent before they were added. Remove participants from a group conversation If you're the initiator of a group conversation, you can remove participants from this conversation. To remove a participant: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. In the Participants list, tap the desired participant and select Remove Participant. All participants receive a notification in the conversation. The participant you removed will no longer receive and can no longer send any new messages as part of the conversation. However, they can still access the conversation history. Disable push notifications for a conversation If you don't want to receive push notifications for every new message that arrives in a specific conversation, you can disable the notifications for this conversation. To disable push notifications for a conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Turn the No Push Notifications option on. You'll no longer receive push notifications for new messages in this conversation. You can, of course, enable push notifications again at any time. Re-enable push notifications for a conversation To re-enable push notifications for a conversation: Page 12 of 31

13 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Turn the No Push Notifications option off. You'll again receive push notifications for new messages in this conversation. Leave a group conversation All participants except the initiator can leave a group conversation. To leave a group conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Scroll down the list of participants, and tap Leave Group. 3. Confirm that you want to leave the group conversation. All participants receive a notification in the conversation. You can no longer receive or send any new messages as part of the conversation. However, you can still access the conversation history. Rename a group conversation If you're the initiator of a group conversation, you can rename this conversation. To rename a group conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Overwrite the current group name with the new name. 3. Save your changes: In Android, tap. In ios, tap Done. All participants receive a notification in the conversation. They also see the new group name in their conversations overviews. Page 13 of 31

14 Add a profile picture to a group conversation If you're the initiator of a group conversation, you can add a picture to this conversation that all participants can see in their conversations overviews as well as in the conversation details. To add a profile picture to a group conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Tap the picture placeholder. 3. Add a picture: To use an existing picture, tap Select a Photo, and select the desired picture from your device's gallery. To take a new photo, tap Take a Photo. 4. Save your changes: In Android, tap the checkmark icon. In ios, tap Next. The profile picture is now shown in the conversation details as well as in the conversations overview. Delete the profile picture of a group conversation If you're the initiator of a group conversation, you can delete the profile picture of this conversation. To delete the profile picture of a group conversation: 1. In the Conversations module, tap the desired conversation and open the edit view: In Android, tap. In ios, tap the conversation title. 2. Tap the conversation's current profile picture. 3. Tap Delete Photo. Instead of the profile picture, the picture placeholder is displayed both in the conversation details and in the conversations overview. Search conversations In the Conversations overview, you can search for one-to-one conversations with a specific user, the last participant of a group conversation, and the name of a group conversation. 15 To search your conversations in Android: 1. In the Conversations module, tap. 2. Enter a complete keyword or just a part of it, e.g. the name of a group conversation. Search results are shown in a list below the search field. 3. Tap X to empty the search field and start a new search. 4. Tap X again to close the search and return to the full Conversations overview. 5. Tap a search result to open the corresponding conversation. To search your conversations in ios: 1. In the Conversations module, enter a complete keyword or just a part of it in the Search field, e.g. the name of a group conversation. Search results are shown in a list below the search field. 2. Tap X to empty the search field and start a new search. 3. Tap Cancel to close the search and return to the full Conversations overview. 4. Tap a search result to open the corresponding conversation. Delete a group conversation Unfortunately, you can't delete a conversation at this time. You can, however, leave a group conversation (see also "Leave a group conversation" on page 13). Delete a message from a conversation Currently, you cannot delete an individual message from a conversation. Forward a message To forward a message in Android: 1. In the Conversations module, open the desired conversation. 2. Long-press the desired message. 3. Tap the Forward icon in the top-right corner. 4. In the tab, select one or more contacts to forward the message to. 5. In the tab, select one or more other conversations to forward the message to. 6. Tap Forward at the bottom of the screen. 16 To forward a message in ios: 1. In the Conversations module, open the desired conversation. 2. Long-press the desired message. 3. Tap Forward. 4. In the Contacts tab, select one or more contacts to forward the message to. 5. In the Conversations tab, select one or more other conversations to forward the message to. 6. Tap Forward at the bottom of the screen. Copy and paste a message 1. In the Conversations module, open the desired conversation. 2. Long-press the desired message. In Android, tap the Copy icon in the top right corner. In ios, tap Copy. 3. Switch to the conversation where you want to paste the message. 4. Long-press the Type a message field. 5. Choose Insert or Paste. The copied text is inserted into the field. 6. Tap to send the message. Size limits in conversations The following size limits apply to conversations in A message can consist of up to 3000 characters. A group conversation can have up to 250 participants. A file sent in a conversation can have a size of up to 64 MB. Page 16 of 31

17 Contacts All users in your team are automatically listed in your Contacts. So, you can just start a conversation with them - either a one-to-one conversation with an individual or a group conversation. Note: If you're a guest user (see also "Users labeled as "Guest"" on page 18), your Contacts will only show users that have already contacted you. Search contacts In the Contacts overview, you can search for the following details: first name, last name, and address. To search your contacts in Android: 1. In the Contacts module, tap. 2. Enter a complete keyword or just a part of it, e.g. a first name. Search results are shown in a list below the search field. 3. Tap X to empty the search field and start a new search. 4. Tap X again to close the search and return to the full Contacts overview. 5. Tap a search result to open the corresponding contact. To search your contacts in ios: 1. In the Contacts module, enter a keyword or just a part of it in the Search field, e.g. a first name. Search results are shown in a list below the search field. 2. Tap X to empty the search field and start a new search. 3. Tap Cancel to close the search and return to the full Contacts overview. 4. Tap a search result to open the corresponding contact. Sort contacts To find people quicker in your contact list, you can sort them by first names or last names. By default, contacts are sorted by their first names. To sort your contacts: 1. In the Contacts module, open the sort menu: In Android, tap. In ios, tap. 2. Select the desired sorting. 3. Save your changes: Page 17 of 31

18 In Android, tap. In ios, tap Done. All contacts are now sorted by the selected sort option. Add a profile picture You can add a picture to your profile that other users in your team can see in their Contacts, as well as in conversations next to messages you've sent. To add a profile picture: 1. Open Settings: In Android, tap in the top left and select Settings. 2. In ios, tap in the bottom menu bar. 3. Tap the picture placeholder. 4. Add a picture: To use an existing picture, tap Select a Photo, and select the desired picture from your device's gallery. Tap the checkmark icon to save your changes. To take a new photo, tap Take a Photo. Users labeled as "Guest" Guests can initially not see or communicate with any other users in their team. However, all members in the team can find the guest in their contacts and can start one-to-one or group conversations with them. All participants in these conversations are then added to the guest's contacts, and the guest can then start new conversations with them. Tip: Not sure if you or a certain user is a guest? Just check your list of Contacts: You'll find the label Guest next to the names of all users who have that role. Page 18 of 31

19 Settings Settings let you customize your app, optimizing it for your individual needs and preferences. Add a profile picture You can add a picture to your profile that other users in your team can see in their Contacts, as well as in conversations next to messages you've sent. To add a profile picture: 1. Open Settings: In Android, tap in the top left and select Settings. 2. In ios, tap in the bottom menu bar. 3. Tap the picture placeholder. 4. Add a picture: To use an existing picture, tap Select a Photo, and select the desired picture from your device's gallery. Tap the checkmark icon to save your changes. To take a new photo, tap Take a Photo. Delete your profile picture 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap your current profile picture. 3. Tap Delete Photo. Instead of your profile picture, the picture placeholder is displayed in Settings and next to the messages you've written. Change your account password To protect your account against unauthorized access or usage by others, we recommend that you change your account password on a regular basis. To change your account password: 1. Open the customer portal at Page 19 of 31

20 2. Enter your registered address and your current account password, then tap Login. 3. In the customer portal's navigation bar, select Change Account Password. 4. Type your old account password, then enter a new one and confirm it. 5. Tap OK. The next time you log in, you'll have to use your new account password. Secure ginlo with a passcode You can set a passcode to protect access to the app on your phone. When you set a passcode, you'll have to enter it to unlock the app at start and to get access to the app's Security Preferences. To enable a passcode: 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Security Preferences, then tap Enable Passcode. To define a simple passcode: Type a 4-digit passcode and repeat it. To define a complex passcode: Tap Set Complex Passcode and enter a passcode that consists of 4 or more alphanumerical characters and repeat it. Tap OK. Turn the ginlo passcode protection off 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Security Preferences. 3. Enter the current passcode. 4. Tap Disable Passcode. You'll no longer be asked to enter the passcode when starting Create a key backup Your personal key is used to encrypt all your messages in It is generated on your primary device when you create your account. You ll need a copy of your key on every new device. The easiest way to get it there is to import it from a key backup you can create on your primary device. With such a backup, you can set up new devices without having to ask your administrator for help. Page 20 of 31

21 To create a key backup: 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Security Preferences, then tap Create Key Backup. 3. Enter a key passphrase and confirm it. 4. Tap Set Key Passphrase. This key passphrase protects your backup against unauthorized access. Your key is now uploaded to the ginlo server. To import it to a new device, you just need to enter your key passphrase when you log in. Change your key passphrase You may only change your key passphrase if you still have the app on another device. In this case, you can create a new key backup (see also "Create a key backup" on page 20) with a new key passphrase. To change your key passphrase: 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Security Preferences, then tap Change Key Passphrase. 3. Define a new key passphrase and confirm it. Note: We recommend that you use a strong, unique key passphrase containing for example uppercase letters, numbers, and special characters. Your key backup is now protected with the new key passphrase. An update of this key backup is uploaded to the ginlo server. Lock the app If you've defined a passcode for the app will be automatically locked when you end it, so you'll have to enter the passcode the next time you start it. You can also lock the app manually, i.e. without ending it. To manually lock the app: 1. Open Settings: Page 21 of 31

22 In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Lock App. The app is immediately locked, and the passcode entry screen is shown. Get support If you have questions about or if things get stuck and the app doesn t work quite the way you want it to, please contact your administrator. Your administrator may then ask you to send them your app log file (see also "Send app log file" on page 22). The app log file will then be sent from the address you use on the corresponding device. If your app crashes or stops responding, you can choose to send a crash log containing exceptions, e.g. an error or unexpected behavior, directly to Brabbler. This crash log is sent in the background and allows our software engineers to pinpoint the cause of the crash. Send app log file Note: The log file will be sent from the address you use on the corresponding device. 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Get Support. 3. On the Support page, tap Send Log File Now. 4. Choose the desired mail app. A new is opened. The address of your administrator is already filled in and your app log is automatically attached to the If you wish, type a description of the problem you're experiencing and tap Send. Your app log is now sent to your administrator. It contains the following data: App name App version Vendor ID (device ID) Mono version OS version Device model Server request ID and end point for every failed call to the server Page 22 of 31

23 IDs of incoming and sent messages Views the users navigates to Actions (taps) performed by the user Send app crash log If your app crashes or stops responding for the first time, you'll be asked if you want to send a crash log to Brabbler. If you opt in, the crash log will be sent whenever the app crashes again. However, you can opt out at any time in Settings if you change your mind. The crash log is sent in the background and doesn't contain any personal information. For more information about data handling and data privacy, please see our Privacy Whitepaper ( To enable/disable sending of a crash log: 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Enable or disable the option Send Crash Log. Page 23 of 31

24 Reset To reset the app, e.g. because you forgot your passcode, you need to uninstall the app, re-install it and set it up again. Note: Please make sure you create a backup of your key (see also "Create a key backup" on page 20) before resetting the app. Then, you can easily set up the app again without having to ask your administrator for help. Re-install On your Android smartphone, go to the Play Store, and install the app. On your iphone, go to the App Store, and install the app. Log in to after reset 1. Start and tap Login. 2. Enter your address and your account password, then tap Login. 3. To load and decrypt your existing content, import your personal key. Note: Your personal key was removed from this device when you reset the app. You can import it again if you've created a backup of it (see also "Create a key backup" on page 20). To import the key, enter the key passphrase you defined when creating the backup. Once you're done, all your existing content is shown, and you can start using the app as usual. What if I don't have a key backup or forgot my key passphrase? Don't worry: In this case, you can request a copy of your key (see also "Request a copy of your key" on page 24) from your administrator. Request a copy of your key When setting up the app on a new device, you need to import a copy of your personal key. If you don't have a backup to import it from, or forgot your key passphrase, you can request help from your administrator. Your administrator can then transfer a copy of your personal key directly to your new device. To request a copy of your key: 1. On the new device, start and tap Login. 2. Enter your address and your account password, then tap Login. 3. Tap Request Help, then tap Send Request. Your administrator will be notified and can now transfer a copy of your personal key to your new device. Page 24 of 31

25 Note: For security reasons, the administrator may first check back with you, e.g. via phone or , to make sure it was really you (and not an attacker) who sent the request. 4. Once your administrator is done, you'll receive an notification. 5. In the app, tap Continue. Then, you're all set and can start using the app as usual. Tip: We recommend you create a backup of your key (see also "Create a key backup" on page 20) now. Then, you don't have to ask your administrator for help the next time you want to set up a new device. Page 25 of 31

26 Set up ginlo on another device You can set up on up to 5 devices. Install on another device On your Android smartphone, go to the Play Store, and install the app. On your iphone, go to the App Store, and install the app. Log in to on another device 1. Start and tap Login. 2. Enter your address and your account password, then tap Login. 3. To load and decrypt your existing content, import your personal key. Note:Your personal key is located on your primary device. You can import it to your new device if you've created a backup of it (see also "Create a key backup" on page 20). To import the key, enter the key passphrase you defined when creating the backup. Once you're done, all your existing content is shown, and you can start using the app as usual. What if I don't have a key backup or forgot my key passphrase? 27 Request a copy of your key When setting up the app on a new device, you need to import a copy of your personal key. If you don't have a backup to import it from, or forgot your key passphrase, you can request help from your administrator. Your administrator can then transfer a copy of your personal key directly to your new device. To request a copy of your key: 1. On the new device, start and tap Login. 2. Enter your address and your account password, then tap Login. 3. Tap Request Help, then tap Send Request. Your administrator will be notified and can now transfer a copy of your personal key to your new device. Note: For security reasons, the administrator may first check back with you, e.g. via phone or , to make sure it was really you (and not an attacker) who sent the request. 4. Once your administrator is done, you'll receive an notification. 5. In the app, tap Continue. Then, you're all set and can start using the app as usual. Tip: We recommend you create a backup of your key (see also "Create a key backup" on page 20) now. Then, you don't have to ask your administrator for help the next time you want to set up a new device. Page 27 of 31

28 Reset a forgotten password Here's what you can do if you forgot your account password, key passphrase, or passcode. Reset your account password 1. On the login page of the app or the customer portal (work.ginlo.net), select Forgot Your Account Password? Tip: You can also reset your account password from the app's Settings > Security Preferences. 2. Enter the address you used to register with and select Send. 3. Click on the link in the sent to your address. This helps confirm that you (and not an attacker) are changing your password. 4. Define a new account password and confirm it. Note: We recommend that you use a strong, unique password containing for example uppercase letters, numbers, and special characters. 5. Select Send. Back on the login screen, you can log in with your new account password. Reset your key passphrase If you've forgotten your key passphrase, you may only reset it if you still have the app on another device. In this case, you can create a new key backup (see also "Create a key backup" on page 20) with a new key passphrase. Otherwise, you can request a copy of your key (see also "Request a copy of your key" on page 24) from your administrator. To reset your key passphrase 1. Open Settings: In Android, tap in the top left and select Settings. In ios, tap in the bottom menu bar. 2. Tap Security Preferences, then tap Change Key Passphrase. 3. Define a new key passphrase and confirm it. Note: We recommend that you use a strong, unique key passphrase containing for example uppercase letters, numbers, and special characters. 4. Tap Set Key Passphrase. Your key backup is now protected with the new key passphrase. Page 28 of 31

29 Reset your passcode The passcode is the code to unlock the app when starting it. If you forgot your passcode, you ll have to delete the app and re-install it. Note: If you've created a backup of your key (see also "Create a key backup" on page 20), you can restore all your ginlo content upon reinstallation. Page 29 of 31

30 Glossary Account Password The account password protects your account from unauthorized access. You'll have to authenticate with this password in the following situations: You want to use on another device. You want to log in to the customer portal (work.ginlo.net) to manage your account details. Note: We recommend that you use a strong, unique password containing for example uppercase letters, numbers, and special characters. Key and key backup Your personal key is used to encrypt all your messages in It is generated on your primary device when you create your account. You ll need a copy of your key on every new device. The easiest way to get it there is to import it from a key backup you can create on your primary device. With such a backup, you can set up new devices without having to ask your administrator for help. All you need to do is to enter your key passphrase (see page 30) when you log in. For more information on key generation and encryption in please refer to the Security Whitepaper ( Key Passphrase The key passphrase is the password you set when creating a backup of your key. You'll have to enter this passphrase in case you lost your device and want to set up a new one, or if you want to add additional devices to your account. So, please keep it in a safe place. Note: We recommend that you use a strong, unique key passphrase containing for example uppercase letters, numbers, and special characters. If you forgot your key passphrase and thus can't access your key backup anymore, you can request a copy of your key from your administrator (see also "Request a copy of your key" on page 24). Passcode You can set a passcode to protect access to the app on your phone. When you set a passcode, you'll have to enter it to unlock the app at start and to get access to the app's Security Preferences. You can choose between a simple, 4-digit passcode or a more complex one that must consist of 4 or more alphanumerical characters. Page 30 of 31

31 User roles A user in can have one of the following roles: Member: Members can see and communicate with all other users in their team. This role is typically assigned to internal employees. Guest: Guests can initially not see or communicate with any other users in their team. However, all members in the team can find the guest in their contacts and can start one-to-one or group conversations with them. All participants in these conversations are then added to the guest's contacts, and the guest can then start new conversations with them. This role is typically assigned to external communication partners, e.g. customers or contractors, who only need to be in touch with certain users in your organization. Tip: Not sure what your role is? Just check your list of Contacts: If you're a guest, you'll find the label Guest next to your name. If there's no label, you're a member. Page 31 of 31
