5 WHAT IS WORLDOX CONNECT? Worldox Connect, powered by Workshare, allows you to share and collaborate on documents securely within and outside of your organization while maintaining control of documents within the Worldox and Document Management System. Worldox Connect gives you the ability to synchronize your Worldox files to Workshare and share them with people outside of your firm in a collaborative space. All collaborative activity is fully audited in the Worldox Audit Trail, maintaining accountability, and supports versioning of files by both the sender and the recipient. While Worldox Connect is a powerful tool it is just one part of a bigger system and bundle that is built around it. Below is a list of some of the other components that this product delivers. COMPONENTS File & Metadata Security: Clean sensitive, hidden data, without interrupting your flow. Having to choose tools and make security decisions wastes time when all you want to do is send a file to someone safely. Regardless of how you share files, Workshare automatically scans and cleans documents before sending. Secure File Transfer: Send files that are too large for your system or too sensitive for your business. Workshare s Secure File Transfer intelligently applies security policies to any sensitive attachments and enables sharing of larger files directly from Outlook. File Sharing & Worldox Mobility: Sync your documents to your mobile device right from Worldox. Share information with a partner or send a document securely to a client or third party for review. Sync your important Worldox files or matters for on-the-go use on ios mobile devices (ipads and iphones using Worldox Web). Full Versioning and auditing of changed documents is supported. Client Extranet: Share and work on content with your clients and partners outside of your organization in a secure online workspace. Structured, branded and optimized to meet your specific requirements. Supports collaborative comments as well as file sharing Digital Rights Management: Secure outbound content by restricting recipients from printing, sharing, and text scraping of documents. Worldox Web: Allows full access to Worldox content from a browser or ios mobile device (ipads or iphones using Worldox Web). Convert Attachments: Convert or automatically combine attachments into a PDF including conversion to PDF/A and other formats. Mobile Application Management (MAM): Allow the remote wipe of sensitive firm data from any connected ios mobile device (ipads or iphones using Worldox Web). 6 WORLDOX CONNECT FUNCTIONALITY The integration adds Collaborative options to a Worldox Connect menu and to your right-click menu within Worldox Professional. The Edit option is only available to Worldox Managers and exists for the purpose of clearing a Workshared flag. This process will be covered in the Considerations and Best Error! Reference source not found.practices section in the Worldox Connect User Guide. For example, this address is neither personal nor unique: administrator@companyname.com While this one is both: bfranklin@companyname.com The latter approach is better, since you will be creating a personal profile anyway when you log in for the first time. 12 HOW TO PROVISION THE WORLDOX CONNECT SOFTWARE OVERVIEW OF THE WORKSHARE ADMIN CONSOLE The following tabs can be available on the Admin Console: Dashboard Policy Management Reports User Management Data Management Services Account Settings Note: The tabs available depend on the type of Workshare account you have. The top banner is constant and provides an overall account view. The information provided in the top banner is as follows: Logo Company name Date created Subscription Licenses Users Invited Licenses Used Guest Users Your logo (set in the Account Settings tab). For details see Customizing Branding. The company name on the account (set in the Account Settings tab). For details see For details see Customizing Branding. When your account was set up. The type of subscription you have Comparison Edition, Sharing Edition or Integration Edition. The number of licenses purchased for the account this determines the number of users you can add to your account. The number of users you have invited to the account. The number of users who have accepted your invitation, validated their account and become licensed users on your corporate account. The number of guests invited by any licensed users on your account. 13 Storage Used The amount of storage used on your account. CONTACT YOUR RE-SELLER AND LAUNCH WORKSHARE Please contact your Worldox Value Added Re-seller (VAR) when you receive an with instructions for setting up your Workshare account. The provides a summary of steps you will do to provision Worldox Connect. The Reseller and Admin user for the Workshare domain should do the following: 1. The Reseller and Site Admin user should go to and log in with the address of the Site Admin user. 2. Enter your password. If you do not have one, select Forgot My Password. You will be prompted to check your inbox for the Reset password message. 3. Click the Reset Password button in the message. 4. Workshare is launched with a prompt to type in your new password. 5. Click Sign in. The Connect home page appears. Only the Site Admin user (with an Account Admin role on Workshare) can access the Admin Console by clicking their user name from the Admin Console s top bar. 6. 14 7. By default, the Activity graph on the Dashboard tab is displayed. For details about the other tabs on the Admin Console, please see the Workshare Admin Console Administration Guide on the Workshare Knowledge Base at 8. Click the Data Management tab to set your storage location. For details, see Setting the Data Storage Location. SETTING THE DATA STORAGE LOCATION Tip: It is recommended that you set your storage location first. The default Workshare storage location is in Europe. Please be advised that if you do not change the default location first that you may store some files in another country and that data will be subject to foreign law. If you have a Sharing or Integration Edition account, you can change this location to another secure Workshare-approved geographical location or, if you have an Integration Edition account, you can specify your own private or on premise data storage location. 15 Note: For further information about the security of the Workshare storage locations, refer to the Workshare Security Data Sheet available on the Workshare website at To change your data storage location: 1. Select the Data Management tab. 2. Ensure Storage is selected in the left menu. 3. Select an alternative location from the dropdown list. 4. Click Change location and click OK to confirm the change. Any future data stored will be stored in the new location. Data that has already been stored will remain in the previous location. Existing data is not migrated across to the new location. Note: If you have an Integration Edition account, you can configure your own custom storage location. Please contact Workshare Customer Support for further information about setting up Workshare hybrid storage. SETTING POLICY MANAGEMENT You can use the Policy Management tab to unlock data management upgrades, set up a number of days for file storage or set auto-delete policy. Note: Depending upon your practice or financial services company, you might not want to set a number of days for file storage. For example, after 30 days, a file is removed. Global settings for domains might also present problems. In the Policy Management tab, you can also set policy so that files are automatically deleted from Workshare if they have not been updated after a specified time period. Setting an auto-delete policy is useful when you don't want data to live outside your DMS for longer than needed. Note: The functionality of the Policy Management tab is available for Sharing Edition and Integration Edition accounts only. To set an auto-delete policy: 1. Select the Policy Management tab and ensure File Storage is selected in the left menu. Workshare and Worldox Integration Administration Guide 15 of 33

16 1. Select the radio button to delete files and specify the number of days/weeks/years. The minimum periods are 30 days/5 weeks/1 year. 2. Click the check box icon and then click Save changes in the confirmation dialog. Files will be automatically deleted if they have not been updated after the specified number of days/weeks/years. "Deleted" means moved to the recycle bin first and purged after 7 days. Updated includes any of the following: Move file Move folder Create/upload new Add new version Download (manual) Rename file Compare file (first instance only) Send via Secure File Transfer Visit to file by not-logged-in visitors Comment on file Add member to folder If any of these events happen then the auto-delete counter is reset and the timer for that file starts counting again. 17 CUSTOMIZING BRANDING You can personalize Workshare to show corporate branding. You can replace the default Workshare wallpaper, add a corporate logo in the header and change the top bar theme. If you specify a custom URL, then the Workshare Sign in dialog will also include the logo and wallpaper you have set for your account. To personalize Workshare: 1. Select the Account Settings tab and select Branding in the Account Settings menu on the left. 2. In the Set the wallpaper area, click Choose File and select a wallpaper of your choice. The recommended file size is 1920px by 1080px/72dpi. 3. Click Open. 4. In the Choose the header logo area, click Choose File and select a logo file (maximum size is 200px width by 120px height at 72dpi). 5. Click Open. Note: If you specified a custom URL, then the logo and wallpaper you selected will also be displayed when signing in to Workshare. 6. In the Top bar theme and Sidebar theme areas, select color schemes from the dropdown lists to complement your wallpaper and logo. Workshare and Worldox Integration Administration Guide 17 of 33

18 CONFIGURING ACTIVATION AND USER ENGAGEMENT S When you install Workshare Professional/Protect 8 (and above) across your organization, your users will be registered against your Workshare account. A validation is sent to each user that has the Professional/Protect client installed on their desktop. Only one automatic is sent and only to these users. The installation of Workshare Professional/Protect installs the Workshare Outlook COM Add-in and when a user first runs Outlook, Workshare obtains their address and generates an account on Workshare using that address and sends a validation to that address. This requests the user to validate their details to activate their Workshare account. If you do NOT want your users to receive a validation , you can disable the option BEFORE deploying Professional/Protect across your organization. For details, see the please see the Workshare Admin Console Administration Guide at: CREATING USER ACCOUNTS For your users to have access to the Workshare Worldox functionality and to provide you with an accurate view of license usage as well as the ability to track and manage users centrally, user authenticated licensing is recommended. After you have deployed the product, your users are required to have a Workshare account and sign in to Workshare on a one-off basis to retrieve their license entitlements. To simplify this process, you can create accounts for your users from the Workshare Admin Console prior to deployment. Note: If you have restrictive security settings, enterprise licensing is recommended whereby you deploy the integration with a license file. Refer to Appendix A in the Workshare Admin Console Administration Guide at: Workshare and Worldox Integration Administration Guide 18 of 33

19 The licensing models are shown below: After installation, the user is prompted to sign in to Workshare from the Workshare desktop app. They must enter their Workshare credentials ( address and password) and click Sign in. Workshare checks their address and will automatically register them against your corporate Workshare account and update their license entitlement. CREATING A USER ACCOUNT Users are people in your network using one of your Workshare licenses or people who have the software installed. You may add users to your account, individually or all at once using a CSV file. Additionally, any user who is part of your domain will be assigned to your company account even if they sign up for a personal account. Guests are people invited by any of your users to share data. Note: Guest users can view things that you share with them, but they are not a part of the licensed domain and cannot add files without having been invited by a user to do so. You can add single users to your account or add up to 100 users at one time using a CSV file. Adding a user invites that user to your Workshare account. Only when the invited user validates their account are they considered a licensed user on your account and their status will become active. To add a user: 1. Select the User Management tab. 2. 20 The Add User dialog appears. 3. In the field, enter the address of the user this must be from your registered domain. 4. In the First Name field, enter a name for the user. 5. Complete the other fields and add a picture for the user if required. The user will be able to edit these personal settings when they have validated their account. The user cannot change their registered address. Note: The default role for a user is that of User. If you want to create an administrator user with access rights to the Admin Console, select Account Admin from the Role dropdown list. 6. Click Add User. A registration is sent to the address specified and the user is invited to validate their Workshare account. 7. An invitation to start using Workshare will be sent to the user via . 21 8. When users click the Get started button in the message, they are taken to Workshare and can set a password. 22 DEPLOY THE SOFTWARE Once you and your Value Added Re-seller (VAR) have performed all the steps described above, you are ready to deploy the software components that are installed on each user s PC. This section describes deployment using executable files. For details about.msi files, see Appendix B: Installing Using MSI Files. EXECUTABLE FILES Your Workshare Worldox integration pack includes the following two executable files: Workshare.Protect.Bundle.exe Workshare.Integrations.Worldox.exe DOWNLOADING WORKSHARE PROTECT AND WORLDOX CONNECT EXECUTABLE FILES Your Workshare Worldox integration pack includes the following two executable files: Workshare.Protect.Bundle.exe Workshare.Integrations.Worldox.exe For installation purposes, you need to run both executable files in that order. The executables download the prerequisites from the Internet if they are required. Note: If you already have another Workshare product installed, please check with your re-seller before proceeding. If you are deploying from a centralized server, please see the Workshare Admin Console Guide section about MSI files. DEPLOYING THE INTEGRATION Deploying the Workshare Worldox integration across your network means installing it on all workstations in your network. The Workshare Worldox integration can be deployed across your network using the Workshare command line installation or third party deployment products. Licensing using user authentication means there is no need to include a license file in the deployment. Users are prompted to log in to Workshare in order to retrieve their license entitlements. Note: If you are licensing using the enterprise method, you will need to obtain a Registry file from Workshare Customer Support and you must deploy this to license your users. This Registry file can be included in your deployment script. All Workshare products are installed on a per machine basis. You can use the executable file or the MSI files found within the executable file to install Workshare from the command line. For details, see Appendix B: Installing Using MSI Files. INSTALLATION PROCEDURE WITH THE INSTALL WIZARD The Workshare Worldox integration install contains an install wizard and relevant installs. The install wizard examines the client desktop, downloads any prerequisites not present, installs the prerequisites and installs and configures the Workshare installs. To install the Workshare Worldox integration using the executables: 1. Create a shared directory with relevant permissions so that client machines can access the Workshare executables during the installation. 2. Copy the executables to the shared directory. 3. Run Workshare.Protect.Bundle.exe on the client desktop. This extracts the files to the client and runs the install wizard on the client machine. Parameters passed to the executable are passed on to the install wizard. The command line is: <path to Workshare.Protect.Bundle.exe > [/silent] 4. Run Workshare.Integrations.Worldox.exe on the client desktop. This extracts the files to the client and runs the install wizard on the client machine. Parameters passed to the executable are passed on to the install wizard. 24 CLEARING THE WORKSHARED FLAG WITH MANAGERIAL RIGHTS On rare occasions, a file may still show the Workshared flag even after a Stop Sync has been performed. The following steps can be performed by a Worldox Manager to clear the flag in the event of such a situation. Please be sure to check with the person whose address is indicated next to the Workshared flag to ensure he has performed a Stop Sync before proceeding. 1. Log in to Worldox as a Manager. The following example shows the User Code and Name of a Manager in WDADMIN. 2. In Worldox, highlight the Workshared file you want to remove. 3. From the Worldox main menu, select Connect and then Edit. 4. The Connect > Edit dialog appears. Select the link to the file, click Delete and then Save. 26 APPENDIX A: ENTERPRISE LICENSING When you have restrictive firewall settings, enterprise licensing is recommended. An Enterprise license comes in the form of a Registry file that can be deployed across your network. Contact Workshare Customer Support to request an Enterprise license. Workshare Customer Support will send you a Registry file that you can install on your machine by double-clicking. To install the license on your users machines, deploy the Registry file across your network using your preferred method. Note: You may receive two Registry files one for Windows 32-bit environments and one for Windows 64-bit environments. Use the one appropriate to your environment. REGISTRY LOCATION Installing the REG file adds the license (adding keys and values) to the Registry in the following location: 32-bit: HKEY_LOCAL_MACHINE\Software\Workshare\Options\9.00\Internal\ Subscription\Features 64-bit: HKEY_LOCAL_MACHINE\Software\Wow6432Node\Workshare\Options\ 9.00\Internal\Subscription\Features A Protect key is added with a Value named Feature and the content of the license feature string set as the Value data. END USER INTERACTION After deployment, the license will be installed in the Registry on each of your user s machines and they can use the Workshare products. There will be no need for the end user to log in to Workshare. CAPTURING OF Enterprise licenses may capture a user s address. If you do not want Workshare to capture the addresses of your users at all, you should include the following switch with your install script. CAPTURE_ When this parameter is set to CAPTURE_ =NO, the install sets or updates the Workshare option in the Registry - SubscriptionCapture to False. Note: This is an admin/hklm only option In HKEY_LOCAL_MACHINE\SOFTWARE\ Wow6432Node\Workshare\Options\9.00\General\GeneralAdmin; it is not visible in the Workshare Configuration Manager (Admin mode). When the Registry option is False, Workshare does not send the user address as part of the validation call for licensing and as a result a Workshare account will not be provisioned. 27 APPENDIX B: INSTALLING USING MSI FILES The following procedure explains how to install the Workshare Worldox integration on a single workstation. Before beginning the installation procedure, make sure that all other programs are closed and disable any anti-virus software. There is no need to uninstall previous versions of Workshare. MSI FILES For deployment purposes, you need to unpack the MSI files from within both the executable files and roll them out. Both are unpacked by running the.exe from the command line with a /layout switch at the end. The Downloading Files and Prereqs dialog is displayed while the prerequisites and MSIs are downloaded to the same location as the executable. If you install using an extracted MSI, you must first install all the prerequisite components. The following files are extracted from the executables: Executable Workshare.Integrations.Worldox.exe Workshare.Protect. Bundle.exe Contents Extracted Workshare.Integrations.Worldox.msi Workshare.Desktop.msi Redist folder including the prerequisite executable dotnetfx45_full_x86_x64.exe WorkshareProtect.msi Workshare.Desktop.msi Workshare.Outlook.msi Redist folder including the prerequisite executables (dotnetfx45_full_x86_x64.exe, vcredist_x64.exe, vcredist_x86.exe, vstor_redist.exe) Notes: Either of the Microsoft.NET Framework executables can be used. Only the Workshare.Desktop.msi extracted from the Workshare.Integrations. Worldox.exe needs to be installed. The Workshare.Desktop.msi from the Workshare.Protect.Bundle.exe can be ignored. INSTALLATION PROCEDURE USING THE MSI FILES DIRECTLY To install the Workshare Worldox integration using the MSI files you must extract the contents of the executables using the /layout command and ensure that all prerequisites are installed on the client desktop. For MSIs you must specify msiexec.exe /i [InstallerPath] [InstallerArgs]. To deploy the Workshare Worldox integration using MSIs: Workshare and Worldox Integration Administration Guide 27 of 33

28 1. Create a shared directory with relevant permissions so that client machines can access the Workshare installation files during the installation. 2. Run Workshare.Integrations.Worldox.exe /layout and Workshare.Protect.Bundle.exe /layout. This will extract and download the prerequisites and MSIs to the directory created in step Install prerequisites (downloaded in Step 2). 4. Install the MSIs in the following order: Workshare.Protect.Bundle.msi Workshare.Outlook.msi Workshare.Integrations.Worldox.msi Workshare.Desktop.msi (extracted from Workshare.Integrations.Worldox.exe) Note: The Workshare MSI files must be installed in the order specified above. If you are using an Enterprise license, you can include the license REG file in your script. Note: Ensure that the system user has write access to the policy sets folder - ProgramData/Workshare/PolicySets. To install the Workshare Worldox integration: 1. Double-click Workshare.Protect.Bundle.exe. The Workshare Installer is displayed. 2. Click Install to install the default installation. Workshare creates the necessary folders and copies files. 29 3. Click Continue to Workshare. The installer closes and the Workshare desktop app is opened prompting you to sign in to Workshare. 4. Enter your Workshare login details ( address and password). 5. Now double-click the second install executable Workshare. Integrations.Worldox.exe. 30 6. Click Install to install the default installation or click customize your install to specify your install as follows: 7. Select your installation from the following: DMS integration + local sync: This option enables synchronization between Worldox files and Workshare, and also between Workshare and the local drive. 31 8. Click Next. The integration is installed and once done the Installation Complete message is displayed. 9. Click Continue to Workshare: The installer closes and the Workshare desktop app is opened. If you didn t sign in to Workshare in step 5, sign in now by entering your Workshare address and password.
