by Len Nasman, Bristol Village Ohio Computer Club Copyright 2018 ~may be copied with permission Introduction The thing to remember is that to send and receive you must have three things: 1. An address supplied by a web mail host. 2. A computer connected to the Internet through an Internet Service Provider (ISP). 3. A computer program (App), software, that enables you to compose, send, and read messages. This section will focus on software. There are a lot of choices of software available. Some ISP's, like Yahoo, provide their own software. The problem with most of these is that they fill the screen with unwanted advertising. Many people use Microsoft Outlook, which is automatically installed with the Windows operating system. If you choose Outlook, however, be sure to continually check for, and install, the latest patches and upgrades from Microsoft. Outlook has a number of software holes that hackers find and use to get into your computer and do things like send nasty to everyone in your address book. Microsoft is constantly creating software patches to plug these holes. This article contains instructions for installing software called Mozilla Thunderbird. I have been using this program for many years now and am very satisfied with it's performance. It is available for downloading free from the en-us/. Download Mozilla Thunderbird NOTE: The Thunderbird setup file is about 40 megabytes in size. You need to have a broadband Internet connection to download this size file in a reasonable amount of time. Also, the following process assumes that you know how to use File Explorer (Windows 10) or Windows Explorer (Windows 7) to locate files. If you are not familiar with File or Windows Explorer, there are documents in the Bristol Village Schoolhouse Computer Tricks section < that explains these functions. Start your Internet Browser program (the example shown here is from Mozilla Firefox). When the Internet Browser program is open, enter in the address window of the Browser. Page 1
Your display should look similar to that shown in Figure 1. From the Thunderbird web page, select the Free Download button. Depending on your browser setting, the system might automatically save the file to a download folder, or it may prompt you for a location for the file. Figure 1: Downloading Thunderbird. This will open a dialog box that will prompt your to save the Thunderbird file. Select Save File and choose a location for the file that you will be able to find later. The default folder for downloads is typically used by most users. Some folks never change this and after a while they have an unmanageable list of files. However, if you do a lot of downloading, you should create folders for specific types of applications. This can make it easier to find downloaded files when they are needed. Figure 2: Opening Thunderbird Setup. After the Thunderbird Setup.exe file has been downloaded, locate the file and double-click on the file name. Page 2 of 9 Figure 3: Starting the install program.
Follow the prompts to start the Thunderbird Setup Wizard. You will be asked to agree to the standard License Agreement. Accept this to start installing the program. Figure 4: Thunderbird Welcome display. When prompted, select the Standard setup. Select the Launch Thunderbird option in the Setup Wizard, then select the Finish button. The system will provide a Summary screen where you can Figure 5: Setup dialog box. review the installation location before you proved. Select the Install button. Figure 6: Install location. The system will display a progress bar as the software is being installed. Figure 7: Install progress bar. Page 3 of 9
Once the installation is complete, select the Finish button. In the System Integration dialog box, uncheck the Always perform this check when starting Thunderbird option. Select the Set as Default button. Figure 8: Finish and Launch Thunderbird. Figure 9: System Integration. Thunderbird provides an option to use gandi.net as your box provider. If you already have an box (such as or or whatever) select the Skip this button if you do not want to create a gandi.net account. Figure 10: Select address option. Figure 11: Account setup. Page 4 of 9 Next, you must enter the name you want to appear on your messages, your address, and your box password.
In the Mail Account Setup dialog box, select the POP3 option. The POP3 option will download messages to your local computer Thunderbird account. in the Mail Account Setup dialog box, select the Done button. The system will then try to locate your mail box and match the address and password. Figure 12: Account setup. The system will require you to confirm a security exception for your location. In the Add Security Exception dialog box, select the Confirm Security Exception option. If everything has worked properly, Thunderbird should now open. If this is not the first time you have used this box, the system will download messaged from your server and place them in the Inbox folder. You are now ready to receive and read messages. But, you still have to take care of a few settings. Figure 13: Add incoming Security Exception. Right click to the right of the folder tab near the top of the display and toggle the Menu Bar option ON. The menu bar makes it easier to access many Thunderbird functions. Figure 14: The Thunderbird user interface. Page 5 of 9
Next, we will send a message to the registered address to make sure that Thunderbird can both receive and send messages. When Thunderbird was first started, a security exception has to be confirmed to receive messages. A similar security exception has to be confirmed to send messages. From the Thunderbird Mail Toolbar, select Write. Enter your address in the To: text box. Enter test as the Subject, and enter testing as the message text. Select the Send button to send the message. Sometimes the Add Security Exception dialog box hides under other open windows. If you do not see the dialog box, check the task bar and make the dialog box move to the front. Figure 15: Add outgoing security exception. When the Add Security Exception dialog box appears, select Confirm Security Exception. Send the test message again. Select the Inbox folder. Select the Get Messages option until your test message appears. Now that you can both receive and send messages, it is time to review some of the Thunderbird settings. Take a look at Figure 16. Figure 16: Account settings option. If you do not see the Folder Pane on the left side of your display, select from the Menu Bar View, Layout, and toggle the Folder Pane ON. (See Figure 17.) Figure 17: The View, Layout options. Page 6 of 9
The Menu Bar also provides options for showing toolbars. Select View, Toolbars, and toggle the toolbars on as shown in Figure 18. In Figure 16, note that the Account name has been selected in the Folder Pane. This opens a number of options. We will review the Account setting options. Figure 18: The View, Toolbars options. Select the Account name in the Folder Pane, then select the Account settings option. The Account Server Settings dialog box provides a number of things to control. Review the settings and note the default check boxes. Toggle the Empty Trash on Exit option ON. In the Account Settings dialog box, select the Copies and Folders option Decide how long you want to leave the original messages on the server, and check boxes accordingly. Figure 19: Account Server Settings. The Copies and Folders dialog box provides ways to customize where your different files are saved. Unless you want to customize these settings, accept the defaults. Next, the Junk Settings options will be explored. In the Account Settings dialog box, select the Junk Settings option Figure 20: The Copies and Folders settings. Page 7 of 9
Thunderbird checks the address for new messages, and tries to determine whether the message is Junk. You probably do not want from folks in your address book to be considered Junk senders. Check the boxes beside each address book where you do not want the system to consider senders to be sending junk. Check the box beside Trust junk mail headers set by SpamAssassin. SpamAssassin is an open source program that tries to detect spam, or junk, messages. If it identifies a message as spam, it can move the message to the Junk folder. Figure 21: The Junk Settings options. Select the check box beside the Move new junk messages to: option. Set the number of days you would like the system to save junk messages. You should check the Junk folder and Figure 22: Opening the Tools, Options dia- determine log box. if a message is actually junk. If it is not junk, Thunderbird has an option for you to label a message as not junk. Next, we will set the font used for your new messages. Figure 23: The Options dialog box. From the Menu Bar, select Tools, Options. In the Options dialog box, select the Composition tab. Page 8 of 9
The Composition options include selecting a Font and Font size for you messages. Of course you can always adjust the font for all or part of your message text in the Write window. However, the setting here changes the default font for new messages. Set your preferred font and font size. You may want to review other Composition or other Options before closing the dialog box. From the Mail Toolbar, select the Write option. Enter your address in the To: text box. In the Subject text box, enter New Test. Type some text in the message area, and then experiment with different font settings for different words in your text. Send the message. Wait a bit and from the Mail Toolbar select Get Messages. Repeat selecting Get Messages until your new test message appears. These last steps provided the opportunity to review your default font settings, and signature. If you are not happy, go back and adjust he settings. Figure 24: Writing a test message. Figure 25: The Inbox. Figure 25 shows the display when the Inbox folder has been selected. The display is divided into a message list panel and a message preview panel. If you carefully position your mouse pointer on the horizontal line between the message and preview panels, it will change to a double arrow. You can click and drag this line to change the sizes of the two panels. Double click on one of the messages in the message list. This will open a new tab that shows the selected message. If you would like to see more of the message than the preview panel shows, double click on the message. When you are finished reading a message, select the small X on the right side of the message tab. I have seen users forget to close messages open with tabs, and fill their display with open messages.
