4 Getting Started Congratulations on the purchase/trial of your Women/Ladies Golf Association website. We have secured and purchased the following items: Domain name: Google address: Google Picasa account: Google password: Your website has secure pages that are only accessible to registered members. There are also pages and functions that are accessible to board members and/or members who have been assigned Full Admin security level. An will be sent to a member who will be designated as a Member with Admin Rights from the developer of the application, Karen Mussoline. The will contain a link for the individual to register as the Administrator of the website. See sample below: 1. Click on the hyperlink in the to register as the Administrator of the website. 2. If the embedded link is not functioning on your computer, copy and paste the link into a new tab in your browser. 3. System will navigate to the Registration page. 5 Administrator Registration Page Before you can access the website as the Administrator you must first complete the Registration forms. Information requested 1. First name: 2. Last name: 3. Address: 4. Username: This must be a unique username that is not already in the system. If you enter a username already in use, the system will prompt you with an error message to select a different username. 5. Password: 6. Re-type Password: 7. Profile Picture: Select any picture from your computer; File must be either.jpg or.png extension and file cannot to exceed 2500KB. 8. Birthday: (mm/dd/yyyy format) Only Month and Day will appear on the website. Click the Continue button: System will navigate to the Members Phone Number Page. 6 Administrators Phone Number 1. Add Phone numbers. 2. Click on Add Phone Numbers button. 3. System will navigate to the Members Address Page. Administrators Address Complete the Members Address form and click the Add Address button. Local Address Information: Is required. Member must enter a local address otherwise an error message will appear. System will navigate to the Registration Successful page. After you have completed the above form the system will navigate you to the Login screen. Enter your username and password you created when you registered to access the Admin and Members pages. 7 Organizational Setup The organizational setup will populate various items on the website. The information entered during setup can be changed anytime by either a board member or a member with Full Admin security level. Banner: Address and address, play day and time, telephone number. (The banner appears on top of the website, usually with a picture a picture of the golf course the organization plays on.) Footer: Organizations name, address, address, phone number. (The footer appears on the bottom of the website.) Body: Throughout the website anytime the organization name, telephone number, address, league play day and time, address, name of the organization on the browser tab appears or system generated s, the information is dynamically populated by the information you provided during the setup. This information can be changed at any time and the new information will automatically be displayed throughout the website. MEMBERS LOGIN After the Administrator has registered, the organization setup is ready to begin. Make sure you have logged in to the website. 8 Organization Setup and Maintenance The following instructions will assist you in setting up your website. Many of the requirements have been completed by the webmaster, Karen Mussoline. However you can modify any of the information below at any time. Click on the Admin Page link on the top right banner from your website. The system will navigate to the Administrative Page. Click on the Launch Organization Setup and Maintenance Page. Designed and developed by Karen Mussoline

9 From this page you will define the following information about your website. As you complete these forms your website will display the information you have entered on your website. Follow the steps below in the order they appear on your Organization Setup and Maintenance Page. Organization Information: Enter the name of the Association or League, addresses, telephone numbers, s etc. About Pages: This page is used for organizations to maintain their "About" page. Day Lights Savings Time On Day Light Savings Time Off: Use this feature to adjust your time for Day Light Savings time. Course Description: The page is used to maintain the organizations courses. When assigning a player to the line-up you can assign them to the course they will be playing. Club/Tournament Types: This page is used to maintain the organizations club and tournament types. Examples of "Club Types" are Hole In One, 2 Club, Birdie Club, Ace of Aces. C ommittees: The page is used to define the committees in your organization C ontacts List: If you often send to a group of contacts or send to that same group of contacts on a regular basis, then you might want to group these contacts into a category so that you can easily send s to the same group over and over. A category is a list of contacts in your contacts. Document Types Document types are predefined by the developer of this application and can not be altered. An example of the type of documents are Newsletters, Minutes, By-laws, League Rules, Flyers, Forms, Tournament Entry Forms, Registration. When a board member uploads a document, the member will assign a "document type". Document type defines where the document will appear on the website. Event Types: Examples of "Event Types" are, General Membership Meeting, Banquet, League Day Tee-Time. Flight Definition: Define your flights, an example maybe "A", "B", etc. When creating a Line-up you will be able to assign a golfer to a flight division. Golf Games Definition: Enter golf game names and a description/instructions for the game, when creating play day, tournament, etc. you will be able to assign a game to the play day and the instructions will be attached to the notification for the play day. Hole- In- Fund: Enter the Date the current fund started and the amount. After you have sent your members an invite to register on the website you can enter the members who have paid into the current fund. Designed and developed by Karen Mussoline

10 Membership Positions: Enter the membership types in your organization. Example, President, Vice-President, Member, Golf Pro, etc. Pro Shop and Golf Course Information: Use this page to update the pro shop and golf course information. Standard Slope Rate: Currently set to: 113; Use this page to maintain the "Standard Slope Rate". The system will calculate a players handicap index based upon this number. Tournament Results: Use this page to maintain tournament result options that will appear in a dropdown menu. Home Page Display Homepage Messages: Add or edit the President's message or welcoming message on the homepage. Sent Invite To Current Members Send to a Current Member to Register on website: Use this page to send to current members to register with the website and have access to the "Members Page". 11 Organization Information This information will have already been populated based upon the information provided when the website was purchased or a trial period was requested. You have access to change all of the information below at any time except for the following: Your URL and Picasa Username and Password Organization Name: 1. Your URL: The trial period uses the domain name. After the purchase of the website the domain name will be changed. 2. Golf Course Name: The name of your golf course. 3. Golf Course URL: There is a link to the Golf Course from your website. 4. Picasa Username and Password: A google account has been setup for you to store your pictures. The username and password can not be modified. 5. Play Day: Will be displayed on the banner of the website (mm/dd/yyyy format). 6. Play Time: Will be displayed on the banner (hh:mm am/pm format). 7. Golf Course Address: Will be displayed on the banner of the website. 8. Golf Course City: Will be displayed on the banner of the website. 9. Golf Course State: Will be displayed on the banner of the website. 10. Golf Course Zip Code: Will be displayed on the banner of the website. 11. Phone Number: Will be displayed on the banner of the website Address: Enter the address you would like the displayed on the website for interested persons to contact concerning your league. 13 About Pages This page allows you to customize your website to have sub-menus in your navigational menu bar. Examples of an about page may be your History, Mission Statement, etc. To add a new sub-menu title for the "About" tab, click on the "Add New Item" button. To edit a sub-menu title "About" tab on the navigational menu bar, click on the description title below Designed and developed by Karen Mussoline

14 Committees The page is used to define the committees in your organization. Events Access: Indicates members assigned to a committee that has Events Access will be able to access the Events Access page. Active: Y= The position is still active N=Inactive committee position To add a new "Committee", click on the "Add New Item" button. To edit a "Committee", click on the committee name below. 17 Contact List Your contact list are names, address, and other contact information of other leagues and/or golf courses you may frequently send a blast to. An example may be sending out blast s for an upcoming event to all other leagues who may participate in one of your open events. Designed and developed by Karen Mussoline

18 Contact Category Contact Category or group is to define the different types of contacts in your organization. When adding individuals or businesses to your contact list you will assign them to a contact category or group. This allows you to send blast s by selecting a contact category or group. To add a new "Contact Category", click on the "Add New Item" button. To edit a "Contact Category", click on the contact category below. 25 Course Description This page is used to maintain the golf course slope and rating for your Organization or for other golf courses your league may play at. By adding the course information the system will be able to accurately calculate the players Course Handicap. To add a new "Course Detail", click on the "Add New Item" button. To edit a "Course Detail", click on the course name below. Designed and developed by Karen Mussoline

26 Add Course Course Name: Add the course name, if the golf course has only a front and back name, then enter the golf course name. If the golf course has more than two 9 courses enter the name of the names of the two courses, example may be East/West course. Is this the Default Course? If this box is clicked when adding an event for a play day this course will be displayed first in a dropdown menu After adding the address click the Add Course button. o The system will navigate to the Tee Box information screen Add Tee Box Information Tee Color: Enter the color tee box that you are entering the Slope and Rating for Slope: Enter the Slope rating Rating: Enter the Rating Default Tee? If this box is checked the the player responds to a play day this tee box will appear first in the dropdown menu. Bogey: Optional Designed and developed by Karen Mussoline

28 Document Types Document types are predefined by the developer of this application and cannot be altered. Examples of the types of documents are Forms, Newsletters, Minutes, By-laws, League Rules, Flyers, Tournament Entry Forms, Registration in a.pdf format. When a board member uploads a.pdf document, the member will assign a "document type". Document type defines where the document will appear on the right hand column of the website, under League Documents. *Treasurer s Report is displayed on the Members Page and not available to the public Designed and developed by Karen Mussoline

29 Event Types Event types are used to define the different types of events the Association has. Examples of "Event Types" are, General Membership Meeting, Banquet, and League Day Tee-Time. To add a new "Event Type", click on the "Add New Item" button. To edit an "Event Type", click on the course name below. Designed and developed by Karen Mussoline

30 Add Event Types The Event Types page displays the event types defined by the Organization. During set-up the below listed event types have already been defined. The Organization can define their event types. Examples of event types; League play day, Banquet, General membership meeting, Tournament, Non-league play day. Attributes of Event Types: 1. Title: A descriptive name of the event type.i.e., Banquet a. When an Event is created i.e., Christmas Banquet, the Organizer will select Banquet from a dropdown menu, and enter Valentine Dance as the Event Name. 2. Line-up Required: If a Line-up Required? Is Y the system allows the organizer of the event to create a lineup. A line-up allows the organizer to assign a player, a flight division, a cart number, and a handicap. Registered members will have access to sign-up for the event, print the line-up report for the event. The reports can be sorted, by player, by flight division, cart number and/or handicap. 3. Display Results: If the checkbox is checked, the left column of the website will display Results of an event. Only events of this type will be displayed. 4. Active: If the active status is set to Y, when a new event is created the event type will be displayed in the dropdown menu. Designed and developed by Karen Mussoline

31 Add Event Sub Category You have the option to add a sub category to an an event. An example some organizations may elect to have the Ladies Invitational as an event while others may choose to have the Ladies Invitational as a Tournament and have the Ladies Invitational as a sub category. Listed below is an example of the Ladies Invitational as a sub category. To enter a sub category, click on Event title and the Edit Event Page will open. To add a new event category, click on the "Add New Item" button. To edit a category click on the title below. Designed and developed by Karen Mussoline

32 Flight Definition A "flight" is a term for a division of golfers within a golf tournament. Each "flight," or division, consists of golfers of roughly similar skills (determined by handicaps). The flights are named to indicate that skill level; for example, the best golfers in the tournament are grouped in the Championship Flight; the next-best, in the First Flight, and so on. Flight Definition How to use Flight information: When creating a Line-up you will be able to assign a golfer to a flight division Add a new flight click on the "Add New Item" button. 33 Golf Games Definition The Association can define golf games played in their league. When an event is created the Organizer can assign a Golf Game from a list of Golf Games that have been added through this menu, example, best ball, 2-man scramble. When an is sent to the members for an upcoming event the golf game will be identified in the if applicable. To add a new golf game definition click on the "Add New Item" button. To edit a golf game definition click on the golf game title. Add Golf Game Definition 1. Title: Give the golf game a descriptive name 2. Description: Example how the game is played Click Add game button to save changes or Cancel button *All golf games can be viewed and printed from the League Games menu bar located below the website banner. 35 Hole-In-One Fund Hole-In-One Fund allows members to view if they have paid to participate in the Hole-in-one fund. Hole-in-one funds have a close date when a participating member makes a hole-in-one on league day. To add a new Hole-In-One fund click on the "Add New Item" button. To edit a Hole-In-One fund click on the date of Date Fund started. 39 Membership Positions Defines the membership positions in the organization. The Membership Positions page will display a list of current positions within the organization with the position attributes. IMPORTANT: ALL BOARD MEMBER POSITIONS WILL HAVE ACCESS TO THE ADMINISTRATIVE PAGE OF THE WEBSITE To add a new position click the Add New Item button. To edit a position click on the position title. Title: Name of the position Ranking Order: The ranking order will establish the sort order within the organization. Board Member Position: Defines if this position is a board member position. Board Members will have access to the Administrative Page of the website. Active: You can not delete a position in the organization but you can make the position inactive. When a position is no longer active, the position will no longer be displayed on the website. Designed and developed by Karen Mussoline

Complete the form above and click the Add Membership Type button. **Ranking position must be a unique number, you can NOT use a ranking number more than once. If you use a ranking number more than once an error message will appear. This "Ranking Position" is already in use, please select another number or return to the Membership Position page to view all the positions and their ranking order. 41 Pro Shop and Golf Course Information Use this page to update the pro shop and golf course information. The information completed on this form will populate the homepage top left corner on the home page. To edit this information click on the Update Course Information button. 43 Upload League Documents The website includes an organizational league documents library. Documents uploaded to the website will be permanently stored in the league library. The documents must be uploaded as either a.pdf,.png,.jpg or.jpeg file. Documents can be retrieved by registered members and can be sent as an attachment in a blast to members of the organization. To add a new document to the library click on the Add New Item button. To edit a document click on the document date To change the document status click on the Change Status text Designed and developed by Karen Mussoline

44 Add Document League documents will be a permanent document in the documents library. The library will contain the following categories to file your league document. 1. Bylaws and Rules 2. Flyers 3. Forms 4. League Documents 5. Minutes *Not available to the public 6. Newsletters 7. Tournament Entry Forms 8. Treasurer s Report *Not available to the public Document Type: Select from dropdown menu Date: Date document is added to the library Remove Date: This is the date you would like the document to remove from the home page. An example may be a Tournament on May 15 and the cut off date to sign up for the tournament is May 10. You would enter May 10 in the Remove Date and the system will automatically remove the document from the homepage but will still be permanently filed in the League Document Library. Document Name: Give the document a meaningful name. An example may be 2015 Ladies Invitational. Upload Document: Click the Choose File button (may have a different name on a Mac) to select your file from your PC. The file must be a.pdf,.png,. jpg,.jpeg extention. Send Blast checkbox: If this box is checked the document as well as the Message in the next box will be ed to all members. Message: If the Send Blast ? Checkbox is checked the uploaded document is automatically be ed to all members with the Message. Click Upload Document button, Designed and developed by Karen Mussoline

46 Edit League Document continued League documents can never be deleted! To view the document click on the View Current Document Download link To made the document inactive, unclick the Active? Checkbox. An example of an inactive document might be you have 2014 Bylaws on the Homepage of your website and it is a new season with 2015 Bylaws. You would click on the 2014 Bylaws and unclick the Active checkbox. This would make the 2015 Bylaws you current Bylaws and would appear on the homepage. However your 2014 Bylaws would still be accessible in your league document library. Designed and developed by Karen Mussoline

47 League Document Change Status Change document Active status If a document s Active status is set to Y the document will be displayed on the right hand column of the home page (unless the document is the Treasurer s Report or Minutes which are displayed on the Members page). Chick on Change Status Unclick the Active Status box. This will remove the document from the Homepage but will still be available to the members from the Members Page. 48 Home Page Message The Homepage messages consist of four parts, Homepage Message, Presidents Message, News and Upcoming Events. The latest dated message will appear on the homepage for the Homepage Message. Listed below is a history of the past and current homepage messages that have appeared on the Home page. The latest message will appear on the homepage. To add a new message, click on the Add New Item button. To edit a message click on the "Post Date". Designed and developed by Karen Mussoline

49 Add Homepage Message Use the form below to add a new homepage message. All fields are mandatory. 1. Post Date: This is the date the new message will appear on the home page. The date must be a unique date and cannot conflict with another entry made for the same date. If you enter a duplicate Post Date; an error message will be displayed in red. 2. Introduction Line: This line will appear on the home page in bold before your message. 3. Message: You can upload a picture in your message. Please refer to your tutorial for instructions. 4. Active: A message can never be deleted, however you can uncheck the "Active" box which will treat the message as if it is deleted Designed and developed by Karen Mussoline

51 Send to a Current Member to Register on Website Use this page to send to current members to register with the website and have access to the "Members Page". Before sending invite to register on the website instruct your members to add the address for your organization that was set-up in gmail to their contact list otherwise their provider may either block the or send the to their Spam/Junk folder. Members will receive an with a link to register on the website. If the link in the does not work copy and paste the link in your browser OR Go to the website o click on Member Login button o username enter your address o o password enter newmember after you login click on My Profile under the Members Page tab and update your profile information including your username and password. 52 League Documents Documents uploaded will be permanently stored in your League Documents Library. The most current documents will be displayed on the right column on the home page of the website except for the Treasurer s Report and Minutes which are viewed on the Members Page. The documents will be grouped by document type (see document types below). Documents must be either a.pdf,.jpg,.jpeg,.png extension. File size limit to 2500 kb. When a document is uploaded, the document will automatically be ed to all registered members. 53 Upload By-laws Make sure the document is a.pdf extension. 1. Click on Admin Page tab 2. Scroll down and click on Upload/View/Edit/Add Document 3. Click on the Add New Item button a. The Add New document form will appear. 4. Document Type- Select Bylaws and Rules from dropdown menu 5. Date - Use the small gray button to enter the date of the document 6. Remove date NA a. If you enter a Remove date the system will automatically remove the document from being displayed on the Homepage on the date that was entered in the Remove date box. 7. Document Name 2014 By-Laws 8. 57 Photo Albums Google Picasa How To Add Photo Albums Members with Admin Privileges can add photo albums to their website through Google Picasa. To keep the cost down of a website the photos are stored in Google Picasa and embedded in your Photo page website automatically. Listed below are the steps to add Photos through Google Picasa. Login to your website Click on Admin Page Scroll down and click on Upload photos to my Picasa Account This page will allow you to create photo albums in Google Picasa and the photo albums will be embedded into your Photo tab page. The system will navigate you to the Photo Albums Uploader page and display your Google Username, Google password with a link to your Picasa Account Click on the Go To Google Picasa link If you are logged in to Google or Gmail under a different Username you must sign-out and signin with the Username and password displayed on your Photo Albums Uploader page. 58 Manage Gmail Account Manage Gmail Your website includes a gmail account. A member should be assigned to manage your account. Check daily for any s that may have been sent to your account. Enter gmail in your browser Enter your username and password that was sent to you in the Setup document. Congratulations you have now completed the process to upload your league documents, create photo albums using Google Picasa and learn about your Gmail account. Part 3 of the setup manual will explain how to add events, assign members to a committee and to view and resend members who have not registered with the website. 59 Send To A Current Member To Register On Website This page allows the Board Member to give access to an existing member during the setup for the Associations' website. An will automatically be forwarded to the member notifying them of the Associations website with instructions to register which will give them access to Golf Association secure pages of the website. The will contain a link to the Registration form. Depending on a members provider the they may be delivered to their Spam/Junk or Trash folder. The member should instruct the member to add the following address to their contact list msmoose2@gmail.com and xxxxx@gmail.com. If the member does not receive their have them take the following steps. Also the events can be displayed by clicking on the Events tab on the menu bar. Complete the form and click the Add Event button Edit Event The event can only be edited by one of the two members who were assigned as the chairperson the event. The event can only be accessed through their Members page. Click on Events Access under the Members Page tab.
