5 Section 1: The Basics NVM-Series Voice Mail with Automated Attendant 1 Powerful Integration with Unmatched Value and Performance NVM-Series Voice Mail with Automated Attendant offers real integrated solutions to your communications challenges. There are four powerful NVM-Series systems: Ideal for the Small Office/Home Office, NVM-2e is available with either 2 or 4 Voice Mail ports and three hours of message storage. NVM-2e offers an expansive feature set and 50 subscriber mailboxes. Small businesses will appreciate the value and rock solid integration of the compact VANGARD Mail. VANGARD Mail starts with 2 Voice Mail ports and a minimum of 130 hours of message storage, and is expandable to 8 Voice Mail ports for even greater performance. For larger businesses, the NVM-2000 series is a fully networkable voice messaging power house offering NVM-Series most extensive set of Voice Mail and Automated Attendant features. These features include options such as Fax Mail and NVM-Desktop Messaging (which integrates Voice Mail, Fax Mail and into a single desktop environment). NVM-2000 expands from 4 ports and 130 hours of message storage to 24 Voice Mail ports with more than 260 hours of message storage. NVM-NT is the industry s most innovative integrated Voice Mail with Automated Attendant. Based on the Windows NT platform (the enterprise computing standard), NVM-NT offers a full complement of essential Voice Mail features as well as cutting edge enhancements like Speech Recognition and Interactive Voice Response (IVR). NVM-NT starts with 4 Voice Mail ports and 250 hours of message storage and expands to 24 ports with a whopping 600 hours of storage. NVM-NT also offers an outstanding array of options, such as up to 1000 NVM-Desktop Messaging clients (with Exchange/Outlook integration), Fax Mail, Fax-On- Demand, Fax Server, and hard disk redundancy. 6 Section 1: The Basics Real Integration Providing Real Business Solutions One-Touch Convenience The built-in NVM-Series integration provides one-touch access to your most frequently used Integrated Voice Mail features. For example, just press a single key to call your mailbox or leave a message in a co-worker s mailbox. You can also check your Message Count Display to see how many messages are waiting in your mailbox. When you re busy on the phone, easily transfer your call directly to a co-worker s mailbox. If the message you leave is important, you can mark it as Urgent (for priority treatment) and Confidential (for the recipient only). Conversation Record is another handy one-touch convenience. If you don t want to take notes while talking to a client or customer, press a programmed Conversation Record key to record the call right into your mailbox. Review the recorded conversation later on for information you may have missed. Integration for the Way You Really Work When you must be away from your desk, press a key to automatically Call Forward your calls to your mailbox. As an option, your system may Automatically Forward calls you re unable to answer. For that personal touch, record a Mailbox Greeting. When someone reaches your mailbox, they hear your pre-recorded greeting and are asked to leave a message. You can even record up to three separate greetings and easily select the one you want your callers to hear. For times when you re busy at your desk, use NVM-Series Personal Answering Machine Emulation to screen calls just like your home answering machine. You can answer important calls and let others go to your mailbox. If your phone system has Caller ID installed, you ll get additional benefits. NVM-Series will store the telephone number of a caller that left you a message. You can listen to the message and then use Return Call to call the person back without even knowing their phone number. NVM-Series Automated Attendant Handles Your Calls The NVM-Series Automated Attendant ensures that your callers always get through. After NVM-Series answers, the caller listens to the Automated Attendant instructions and then dials the extension or option number they wish to reach. (The built-in Status Monitor speeds up call processing by always knowing the state of the called extension ahead of time - without waiting for the phone system s response.) The Automated Attendant configured with Scripted Prompting can be a Question and Answer order taker. The Automated Attendant asks questions and your callers dial in their response. NVM-Series records the questions and answers in a unique mailbox. Later on, you listen to the mailbox s stored messages to process the order. If you have the type of job that frequently takes you away from your desk, you ll really appreciate Park and Page. NVM-Series will answer your call, automatically park it in a Personal Park Orbit and then page you with your own prerecorded announcement. You won t miss important calls. 4 Product Description

7 Section 1: The Basics Advanced Office Integration NVM-Series Voice Mail will help you achieve the quick, effective voice messaging you need to survive in today s on-line business climate. For example, if your system has the optional Voice Mail Networking installed, you ll be able to exchange messages with virtually any other AMIS compatible voice mail system worldwide. This is just what you need to stay effectively in touch with your customers, suppliers and other important business contacts. If your business has frequent international contacts, Multilingual Voice Prompts in NVM-NT, NVM-2000 and VANGARD Mail will simplify your international communication. After listening to your company s Automated Attendant greeting, your international callers can dial a code to switch the NVM-Series voice prompts into their language of choice. Let NVM-Series Fax-On-Demand and Fax Detection clean up your office paper trail. When you install the optional Fax-On-Demand, callers can request documents stored in your system s database and NVM-Series will send them directly to their fax machine. You don t have to pay for a dedicated fax line, either. The NVM-Series Fax Detection enables the Automated Attendant to automatically detect and distribute fax calls to your company s fax machines. Note: Turn to the back of this book for a handy Specifications Chart and Feature Cross Reference Chart. The NVM-2e is wall-mountable and has a separate compact power supply. It features solid state message storage. The NVM-2e also has an RS-232 port for connecting a customer-provided PC, which is required for certain programming options. Most options are programmable through a system telephone. Both NVM-2e models offer the same Voice Mail and Automated Attendant features and provide: 66 mailboxes (50 Subscriber Mailboxes) 1 Tenant 1 Answer Schedule Table 4 Dial Action Tables The NVM-2e is not field expandable. P/N P: With 8 Voice Mail ports and 130 hours of message storage. The popular VANGARD Mail is the perfect mid-range model for the growing business. The convenient wall mountable cabinet is easy to access and quick to install. The VAN- GARD Mail is remotely programmable via its internal modem, or can be programmed on-site from a customer-provided PC or through a telephone. The PC connects to a dedicated programming port on the back of the cabinet. VANGARD Mail provides: 200 mailboxes 1 Tenant 16 Answer Schedule Tables 100 Dial Action Tables VANGARD Mail Add-ons P/N port expansion Use the P/N port expansion to add an additional 2 Voice Mail ports. P/N port expansion Use the P/N port expansion to add an additional 4 Voice Mail ports. Note: Note that the port expansion does not add additional voice storage hours. In addition, VANGARD Mail can accept up to 2 port cards. This means that you may have to remove an existing 2 port card when expanding. 10 Product Description

The powerful NVM-2000 basic configuration has 4 ports and 130 hours of storage, expandable to 24 ports and 260 hours, and includes a monitor, keyboard and internal modem (for remote programming). The NVM-2000 PC style cabinet has an RS-232 connector for connecting a customer provided PC, if desired. This lets the installer program from their laptop PC instead of the standard monitor and keyboard. The cabinet has six slots, one of which is normally reserved for the internal modem. In addition, NVM-2000 provides: 1000 mailboxes 4 Tenants 16 Answer Schedule Tables 100 Dial Action Tables NVM-2000 Add-ons P/N 17510N-4K: With 4 Voice Mail ports, 130 hours of message storage, and 4000 mailboxes (expandable to 24 ports and 260 hours). P/N 17510N-10K: With 4 Voice Mail ports, 130 hours of message storage, and 10,000 mailboxes (expandable to 24 ports and 260 hours). These are unique NVM-2000 special order configurations. They include a monitor, keyboard and internal modem. Please allow 4-6 weeks for delivery. P/N Port Interface Card The P/N expansion PCB installs in the first slot only and expands NVM-2000 P/N from 4 ports to 6 ports. Only one of these PCBs is allowed per system. P/N Port Interface Card (5 additional per system) The P/N expansion PCB provides NVM-2000 with an additional 4 Voice Mail ports. Product Description 11

14 Section 2: The Components Use these PCBs when expanding the system beyond 4 ports. Normally, you can install up to 4 additional PCBs for 16 additional ports (20 total). If you want to install the 5th additional PCB for 20 additional ports (24 total), you must remove the internal modem. P/N 17560B Monitor This is an original equipment replacement for the NVM-2000 monitor. NVM-2000 Expansion Disks The NVM-2000 Expansion Disks allow you to add more voice storage capacity to your NVM-2000 system. There are several choices because you can only double the voice storage capacity of your system. For example, if you have a new hour Voice Mail, you must add a 130 hour expansion disk. If you have an older 65 hour Voice Mail that you want to expand, you can only add a 65 hour expansion disk. 15 Section 2: The Components NVM P/N 17630A: With 4 Voice Mail ports, 130 hours of message storage and 4000 mailboxes. P/N 17630A-10K: With 4 Voice Mail ports, 130 hours of message storage and 10,000 mailboxes. NVM-3000 is a special order NVM-Series model designed for more demanding Voice Mail applications. It includes a monitor and keyboard, and has a unique industrial grade cabinet. The cabinet has 12 slots, one of which is normally reserved for the internal modem. In addition to all the features found in the NVM-2000, NVM-3000 offers higher Voice Mail port, message storage and mailbox capacity. With all expansion options installed, each NVM-3000 model can have 410 hours of message storage and 48 Voice Mail ports. Note: NVM-3000 is available by special order only. Please allow 4-6 weeks for delivery. Consult with your sales representative for the specifics. NVM-3000 Add-ons P/N Port Expansion Card (max 48 ports) Each P/N expansion card adds another 4 Voice Mail ports to the NVM Normally, you can install up to 11 of these PCBs (for a total of 44 additional ports). If you want to install the 12th PCB (for a total of 48 additional ports), you must remove the internal modem. P/N 17560B Monitor This is an original equipment replacement for the NVM-2000 monitor. 16 Section 2: The Components NVM-3000 Expansion Disk P/N 17632A 140 Hour Expansion Hard Drive Each P/N 1763A2 expansion hard drive adds another 140 voice storage hours to the NVM You can add 2 expansion drives to the system, for a total of 410 hours of voice message storage. NVM-2000/3000 Fax Cards Fax-On-Demand Fax-On-Demand and Fax Mail require the addition of unique Fax PCBs. There are several options. P/N 17585FOD 2 Port Fax-On-Demand Card The P/N 17585FOD PCB provides 2 fax ports. This means the system can send and receive a fax simultaneously, or, can send 2 or receive 2 faxes at the same time. You can install up to 2 of these PCBs, providing a total of 4 fax ports. The first 17585FOD PCB you install replaces the internal modem, which means you must then use a separate external modem for remote programming. You cannot install a 17585FOD PCB in a system that already has a port PCB installed. P/N Port Fax-On-Demand Card The P/N PCB provides 4 fax ports on a single card and is intended for more demanding Fax-On-Demand applications. You can install one of these PCBs, and it replaces the internal modem. This means you must use a separate external modem for remote programming. You cannot install a PCB in a system that already has a 17585FOD 2 port PCB installed. NVM-2000/3000 Optional Software AMIS Networking P/N AMIS Networking The P/N AMIS Networking Option allows the NVM-2000/3000 to exchange messages with mailbox users at any other Voice Mail System that allows AMIS Networking. This option helps unify messaging in multi-location companies. Hotel/Motel Options for i-series The NVM-2000/3000 Hotel/Motel options add facility management and hotel service features to the Voice Mail system. These features fully integrate with the Hotel/Motel and facility management features in the i-series telephone system. There are two Hotel/Motel options: P/N HOS Hospitality Option The Hospitality option provides basic Hotel/Motel Voice Mail services. For example, check-in at the front desk automatically activates a guest s mailbox, while check-out 14 Product Description

17 Section 2: The Components archives unanswered messages. In addition, each guest is provided with a handy Wake Up Call (with snooze alarm). P/N HOS is a single hardware dongle. P/N PMS PMSi Software Option The PMSi option is intended for more sophisticated Hotel/Motel applications. PMSi allows the i-series telephone system, NVM-2000 and third-party PMS system to provide comprehensive facility management. PMSi automates many routine facility management tasks by instantly exchanging room status, guest services and call record data. Checking in a guest at the PMS reservation terminal can automatically update room status, call restriction and enable the guest s mailbox. Checking out can notify housekeeping, update the guest s bill and deactivate their mailbox. P/N PMS consists of a hardware dongle and a multiple COM port card. PMSi requires one of the following: 704i with CPU PCB w/software (P/N PMS), 4LAPBU OAI PCB (P/N 92156), and a DCI Module (P/N 92266B) or an available port on a 3-DCI Module (P/N 92258). 124i EXCPRU PCB (P/N 92025) software version or higher, a 4LAPBU OAI PCB (P/N 92056) installed in a 124i analog slot, and a DCI Module (P/N 92266B) or an available port on a 3-DCI Module (P/N 92258). 124i Enhanced 32-bit CPU P/N and a DCI Module (P/N 92266B) or an available port on a 3-DCI Module (P/N 92258). 2 Note: PMSi is not available in 124i Base and 28i. 18 Section 2: The Components NVM-2000/3000 Desktop Messaging NVM-Desktop Messaging with Microsoft Exchange/Outlook integration consolidates voice mail, fax mail and into a single desktop environment. NVM-Desktop Messaging is compatible with industry-standard TCP-IP networks (e.g., Microsoft, Novell and Lantastic) and works with the most popular office operating systems such as Windows 95/98, Windows 3.1/3.11, Windows NT and Windows for Workgroups. NVM-Desktop Messaging minimum client requirements are a 486/33 PC with 8MBytes RAM, 3Mbytes available hard disk space and a network interface card. An optional sound card will play messages through headphones or speakers. NVM-Desktop Messaging has three components: A UMS dongle that installs on the NVM-2000/3000 to enable the Desktop Messaging server side software. The UMS dongle kit also includes a LAN card for the NVM-2000/3000. A CLI dongle that is used to expand the Desktop Messaging capacity after the initial installation. Client software that installs on each PC. The UMS dongle is available in user capacities, in 8 user increments. To make expansion easier, the CLI dongle is available in user capacities in 8 user increments. This allows, for example, an existing 24 user system to be expanded to 48 users just by adding a 24 user CLI dongle to the existing 24 user UMS dongle. Notes: When expanding Desktop Messaging above 64 clients, you ll need to order the P/N RAM memory expansion for the NVM-2000/3000. NVM-Desktop Messaging does not provide voice mail, fax mail and . Instead, it consolidates your existing NVM-Series voice mail, fax mail and services into a single desktop environment. The part numbers below show the various configurations of UMS and CLI dongles. Keep the following four things in mind: There are A versions (e.g., 17526A-UMS-16) and non-a versions (e.g., UMS- 16) of each dongle. The A versions are for NVM-2000/3000 versions 9.08 or higher and provide Microsoft Exchange/Outlook integration. The non-a versions are for NVM-2000/3000 versions and do not provide Microsoft Exchange/Outlook integration. You cannot mix A and non-a versions on the same Voice Mail. 16 Product Description

The innovative new NVM-NT starts with 4 Voice Mail ports and 250 hours of storage, expandable to 24 ports and 600 hours. It includes a monitor, keyboard, mouse and internal modem (for remote programming). The tower style PC cabinet has six slots, one of which is normally reserved for the internal modem. It also has an RS-232 connector for connecting a customer provided PC, enabling the installer to program from their laptop PC instead of the standard monitor and keyboard. In addition, NVM-NT provides: 10,000 mailboxes 4 Tenants 16 Answer Schedule Tables 100 Dial Action Tables Speech Recognition software that supports 2 Voice Mail ports with 250 names, expandable to 12 ports and 75,000 names. Desktop Messaging software with support for 3 clients, expandable to 1000 clients. NVM-NT Add-ons P/N Port Interface Card (5 additional per system) The P/N expansion PCB provides NVM-NT with an additional 4 Voice Mail ports. Use these PCBs when expanding the system beyond 4 ports. Normally, you can install up to 4 additional PCBs for 16 additional ports ( 20 total). If you want to install the 5th additional PCB for 20 additional ports (24 total), you must remove the internal modem. P/N Hour Expansion Disk The NVM-NT Expansion Disk allows you to add another 350 hours of voice storage capacity to your system. 21 Section 2: The Components P/N RED Redundant Disk The NVM-NT Redundant Disk provides built-in hard disk redundancy for additional security. You can install 1 redundant disk. P/N Monitor This is an original equipment replacement for the NVM-NT monitor. P/N Keyboard This is an original equipment replacement for the NVM-NT keyboard. P/N Mouse This is an original equipment replacement for the NVM-NT mouse. NVM-NT Speech Recognition NVM-NT can optionally provide Speech Recognition for Automated Attendant callers. Speech Recognition allows an Automated Attendant caller to speak the name of the party or department they wish to reach instead of dialing. NVM-NT Speech Recognition interprets the caller s spoken command and routes the call to the requested destination. Speech Recognition is configured according to the number of ports that should support Speech Recognition and the total number of names the speech engine should be able to understand. NVM-NT provides built-in support for 2 ports and 250 names. This means that up to 2 Voice Mail ports can simultaneously provide Speech Recognition services for up to 250 names. NVM-NT can optionally support Speech Recognition on up to 12 Voice Mail ports for a maximum of 75,000 names. 2 There are two steps to expanding the built-in Speech Recognition capacity of the NVM-NT (see the expansion parts listing below): Increase the number of Voice Mail ports that Speech Recognition supports by ordering additional quantities of NVM-NT 2-Port Speech Recognition Software P/N For example, to increase support from the standard 2 ports to 6 ports, order 2 P/N Order the same increment of NVM-NT Names Software for the number of ports supported by Speech Recognition. For example, if you want 1000 names for the 6 port configuration above, order (3) P/N P/N NVM-NT 2-Port Speech Recognition Software P/N provides Speech Recognition on 2 Voice Mail ports with 250 names. To have NVM-NT support more ports, order additional quantities of P/N (up to 5 for 12 ports maximum). Note: You cannot mix NVM-NT Names Software of different capacities in the same system. For example, if Speech Recognition supports 4 ports, you cannot have 500 Names Software for 2 ports and 1000 Names Software for 2 ports. You must have the same increment of Names Software for all ports. P/N NVM-NT 500 Names Software for 2 Ports The P/N supports 500 names on 2 Voice Mail ports. If the system has Speech Recognition support for more than 2 ports, order additional copies of P/N (up to 5 for 12 ports maximum). Product Description 19

P/N NVM-NT 2000 Names Software for 2 Ports The P/N supports 2000 names on 2 Voice Mail ports. If the system has Speech Recognition support for more than 2 ports, order additional copies of P/N (up to 5 for 12 ports maximum). P/N NVM-NT 3000 Names Software for 2 Ports The P/N supports 3000 names on 2 Voice Mail ports. If the system has Speech Recognition support for more than 2 ports, order additional copies of P/N (up to 5 for 12 ports maximum). P/N NVM-NT Names Software for 2 Ports The P/N supports names on 2 Voice Mail ports. If the system has Speech Recognition support for more than 2 ports, order additional copies of P/N (up to 5 for 12 ports maximum). Instead, it consolidates your existing NVM-NT voice mail, fax mail and services into a single desktop environment. 24 Section 2: The Components NVM Installation / Programming Tools P/N Splitter Line Cord The P/N Splitter Line Cord easily connects two Voice Mail ports to the telephone system. The connector on each port card contains two Voice Mail ports and must be split into two mod jacks for connecting to the phone system. The Splitter Line Cord conveniently does this for you. P/N NVM-2000/3000 DB9F to DB25F Adaptor This adaptor simplifies connecting the DB9M RS-232 connector on the Voice Mail to the DB25M RS-232 connector common on many PCs and terminals. Plug the adaptor into the voice mail and use a 25-pin male-to-female RS-232 cable to connect the two. You can use this adaptor in other configurations if your connections differ. P/N NVM-2000/3000 DCE-DCE Adaptor Use the P/N DCE-DCE Adaptor when using your PC laptop or terminal for onsite programming. For example, the RS-232 connector on the NVM-2000 cabinet is DTE (like your PC) and will connect directly to a modem (DCE). In order to connect your laptop directly to the NVM-2000 (which is also DTE), you ll need the DCE-DCE adaptor between the two. P/N Idea Upload/Download Software Use the P/N Idea Upload/Download software for remotely programming the NVM-Series Voice Mail systems. P/N NVM-2000/3000 Installer s Kit This handy kit consists of: (2) P/N Splitter Line Cords, (1) P/N DB9F to DB25F Adaptor, (1) P/N DCE to DCE Adaptor. The Automated Attendant can answer all lines or only some lines it's programmable. One common setup is to have the Automated Attendant greet a caller with a recorded Welcome Message and Instruction Menu. A typical Welcome Message is: Thank you for calling company ABC. A typical Instruction Menu is: Please dial the extension number you wish to reach. Or dial 1 for sales, dial 2 for customer service, etc. All the caller has to do is dial a code to route their own call. If your phone system supports Voice Mail Overflow, unanswered calls may automatically route to Voice Mail. Using the Flexible Answering Schedules feature, you can have the Automated Attendant greet callers one way during the day, another way at night, etc. You simply program the day (or date) and time that a specific company greeting should play.
