It does NOT cover ALL possible uses of the web site. 2 Note the following: Topic Player, member, regular, sub Browser Screen images in this document Explanation In the lingo of mytennisgroup.com, Player or member means what we have called regular that is, a player who is scheduled for a particular weekday and time slot throughout the season. Someone who only subs is still called a sub. You view web sites (like mytennisgroup.com) via a browser such as Internet Explorer, Firefox, Safari, or Chrome. The screens come from Internet Explorer (a Microsoft browser). If you use a different browser, your screen will look largely the same, but some of the details around it, such as tabs or ways of closing the screen, may look different 2

3 1 LOGGING IN Type in mytennisgroup.com (this area is called the address bar because you type in the address of the site you want to view). Then press ENTER (or RETURN or some other label on your computer, usually a large key above the right-hand SHIFT key). Notice that to the right of the address bar is a tab (labeled here as New Tab ). (This may look different on different browsers.) 3

4 The tab is filled with the mytennisgroup.com web site. (Notice that the name on the tab has changed.) Type your Username and Password ( ed to you by mytennisgroup.com). Then click Login. 4

5 You now come to the home page of your personal account. It shows a calendar of your schedule for the current month. To move to the next month, click the double arrow pointing right (>>). (To go a previous month, click the double arrow pointing left: <<.) Red text in the calendar means you are scheduled that day (black text means there s a game but you're not scheduled). Some of these options are discussed later. If you click the circle to the left of Line Listing, the calendar will change to the week-by-week season-long listing shown on the next page. To print the schedule for the month shown, click this printer icon. (Notice that to the left of this icon are other icons that allow you other options if you know what to do with them including exporting this calendar to an Excel spreadsheet.) NOTE: Whenever you want to return to this screen, click on MyHome in the upper left of many screens. 5

6 If you clicked Line Listing on the previous screen, this screen appears. Your name is highlighted in green every time you are scheduled. Your court is indicated by a double red arrow to the left of the court number. To print the entire schedule in a line listing format, click this printer icon. (Notice again that to the left of this icon are other icons that allow you other options if you know what to do with them including exporting this calendar to an Excel spreadsheet.) 6

7 2 REQUEST A SUB (from the calendar) Depending on the view (Calendar or Line Listing), you request a sub slightly differently. We ll start with the calendar view, which has one step more than Line Listing. Let s assume you want a sub for November 5. First click once on the scheduling information for November 5. 7

8 A box (the extra step) pops up to show you the complete schedule for that day (in this case, November 5). If you change your mind at this point, click Close in the upper right-hand corner of the pop-up screen. If you want to continue to request a sub, click Find A Sub. 8

9 A screen appears for confirming your request. Leave the default ( Members THEN subs, ) to give regulars 24 hours to reply before subs may be notified). SEE EXCEPTION BELOW. Click on the green rectangle labeled Request Sub. Your request will be sent, and you are done.* You may cancel a sub request (see pages 12-16), but ONLY before someone has volunteered to fill your slot. Note that the new screen appears in a new tab. IF YOU CAME TO THIS SCREEN ACCIDENTALLY, CLOSE THE NEW TAB (in Internet Explorer, click the x on the right-hand end of the tab) to return to the original tab. (Alternatively, you can click on the original tab to return to where you were.) EXCEPTION IF YOUR GAME IS SCHEDULED WITHIN OR CLOSE TO 24 HOURS Click Members AND subs. This will maximize the number of people who see your request. (If you leave Members THEN subs, and if no member replies, it may then be too late for subs-only to receive the request and respond to it.) IF NO ONE HAS ANSWERED YOUR SUB REQUEST WITHIN 2 HOURS OF WHEN IT S SCHEDULED: Phone possible subs. If you can t get anyone, call your captain for advice. *NOTE: Most days, we have several unscheduled regulars plus numerous subs-only, so it is highly unlikely that a sub request will go unfilled. HOWEVER: If you ve requested a sub and it s getting close to the scheduled match but you haven t received a notification from MTG that someone has taken up your request, you should (1) go to mytennisgroup.com to check the latest schedule to see if in fact a sub is in your place, and if not (2) phone the other 3 players in your scheduled match to alert them that they might not have a fourth. 9

10 3 REQUEST A SUB (from Line Listing) This procedure starts differently from the calendar technique but ends up the same. We ll use November 5 again. 1. On the Line Listing screen, scroll until you see the date you need a sub (here, November 5). 2. Click on the double red arrow just to the left of the court on which you are scheduled (in this case, Court 1). 10

11 The same screen appears that we eventually saw when seeking a sub via the calendar view. Here is a repetition of what we said then. Leave the default ( Members THEN subs, to contact regulars first and 24 hours later, if needed, subs only). SEE EXCEPTION BELOW. Click on the green rectangle labeled Request Sub. 12 4 ACCEPTING AN INVITATION TO BE A SUB If you (either as a Player or a sub-only) receive an that says someone is looking for a sub and you want to accept the request, click on the highlighted link. Here is a sample (you should click on click here to volunteer; you'll be taken to a My Tennis Group page that will either allow you to sub or will tell you the opening is no longer available). A sub has been requested for the following match. Please click here if you want to sign up. Match Details: Date: Nov 5th, Monday Time: 11:00 am-12:30 pm Tennis Center: Group: X group 1 Monday Payment: None Requestor: Boondoggle Smith Thank You. If someone takes up the request, My Tennis Group will send an acknowledgment to the person who sought the sub AND the players scheduled with him. Here is an example of what is received by the person seeking the sub: This is a message to notify you that Zebediah Schmendrick has filled your sub-request for the following match: Match Details: Date: Time: Tennis Center: Group: Payment: Nov 5th, Monday 11:00 am-12:30 pm X group 1 Monday None Requestor: Boondoggle Smith Thank You. NOTE: Sub acceptance is first-come, first served. 12

13 5 CANCEL A SUB REQUEST (only possible if no one has accepted your request) Let s assume you wanted a sub for January Cancel a sub request from calendar view (first steps) Find the date for which you made the request. Click anywhere on the time and day highlighted in red. 13

14 A box pops up. Click on the binoculars icon (used to symbolize I m searching for a sub ). If you change your mind and don t want to cancel the request, click Close. (Final steps are after the next page.) 14

15 5.2 Cancel a sub request from line-listing view (first step) Scroll to the date and court for which you made the request. Look for the binoculars icon (in place of the double red arrow) and click on it. 15

18 6 EDITING YOUR PROFILE Click MyProfile. 18

19 A screen appears with your personal information. You can change or add some (e.g., phone numbers) but not all of it. NOTE: Court Preference might indicate you prefer singles. You can change this to doubles or both, but for our group it doesn t matter you're automatically playing doubles. 19

20 7 ENTERING NOT-AVAILABLE DATES Shortly before the start of each season, the process of setting up schedules includes a chance for you to list for MTG any dates you know you can t play. You are not required to do this, but if you do, you won t be scheduled on the days you mark. Once this opportunity ends, however, you'll need to find subs for any dates you can t play. 7.1 If you receive an to indicate availability Here is a sample The refers to Your captain. In fact, this may be some other steering committee member responsible for scheduling and temporarily masquerading as your captain. All should be restored to correct order by the time schedules are generated. Note that the lists a DEADLINE after which you can no longer enter notavailable dates. (Although the pretends to be polite by saying Your captain requested, it is really a nonnegotiable demand.) Click the embedded link to open the MTG site in your browser. NOTE: The link takes you to a page in your account (see section 7.3) that lists ALL possible playing dates for the day(s) you've said you want to play but only as a PLAYER (=Regular); sub days aren t important, since you simply don t reply to sub requests if you don t want to sub. (Note that when you use this link, MTG automatically logs you in to your account.) 20

21 7.2 If you don t use the and want to indicate availability directly from your account Log in to your account. On the calendar page, click Availability. This will take you to the same page you reach if you click Indicate your availability in the discussed above in section

22 7.3 What to do when you reach the availability page NOTE: If the days of the week on this list are NOT what you requested, immediately contact your captain to make the correction. For example, if the list shows dates for Mondays, Wednesdays and Fridays but you only requested Mondays and Wednesdays, this mistake will need to be fixed before schedules are generated. Here is an example of a portion of the screen you might see: In the left column, under Date/Time, is a list of ALL dates during the entire season that you MIGHT be scheduled. You will almost certainly need to scroll down the list many times to see all of the dates. For each date, there is a YES and a NO button that you can click. If neither is clicked, the system assumes you ARE available that day. So you need only click NO (for the days when you CANNOT play). NOTE: This sample screen was taken before more detailed information (for example, location) was available. 22

23 Scroll through the entire list of dates. When you have finished clicking all NO entries you want, scroll to the bottom of the screen and click the Update button. Voilà! You're done! Go relax and await actual schedules in the coming days. 23

24 8 GETTING FURTHER HELP The My Tennis Group web site has various help possibilities. HELP: You won t get an immediate answer, but you can questions to support@mytennisgroup.com. WEB SITE HELP: For answers to common questions and for video explanations, click Help. 24

25 The top of the next screen will look like this. You can experiment with clicking different entries on this screen. Your most likely help will come from either clicking on one of the Frequently Asked Questions here 25

26 or (after scrolling down the Help page) clicking on one of the questions under Players or General If you hover your cursor on Help, you will see three options. You can choose the second ( View Demos ) to watch one or more of the videos available. TELEPHONE HELP: If all else fails, you can try calling My Tennis Group at (listed at the bottom of many pages). A recording will give two choices (1=sales, 2=support). Choose 2. (When I tried this, I was on hold for about a minute and then heard a recording directing me to leave my contact information. The recording promised a return call within one business day.) 26

27 9 VIEW ANNOUNCEMENTS The rest of this document covers uses that might interest you but aren t essential. 1. Hover the cursor over MyHome. 2. A list of choices appears. 3. Hover the cursor over View Announcements and click. Alternatively, click the red word!announcements. 27

28 A list of topics appears. Under Group Announcements, recent messages sent out by your coordinator (in mytennisgroup.com lingo, it s captain ) will appear. 28

29 10 VIEW ALL PLAYERS Click Player List. 29

30 A list of all players in your group will appear along with contact information. This column indicates whether the player s profile (see p. 12) lists preference for Singles, Doubles or Both (irrelevant to us: we play only doubles). Initially, all scheduled days for each player are displayed. By clicking this down arrow, however, you can choose among specific days. This column indicates whether a person is a Player (= regular) or Sub. When (as here) All is the choice but a person is a Player and Sub on different days, this indicator will reflect only one of those days. (It seems to be a mystery how, in that case, the software chooses P or S. ) 30

31 11 OTHER PLAYERS You can send to one, several, or all of the players in your group. Click Send . 31

32 To send to one person: 1. Scroll through the list until you see that person s name. (Let s send to John Sadek.) 2. Click on that name to highlight it. 3. Click the Add>> button. 4. Click the green button that says Next. 32

33 The person you've added will disappear from the left-hand list and appear on the right. 33

34 A screen appears in which you can write a message. 1. Type a subject and message. 2. Click the green button that says Send . 34

35 To send the same to multiple players, highlight a name and click ADD for each recipient. You'll see the list of recipients on the right. When you've included everyone you want, click Next. NOTE: Pressing the CTRL key while clicking on a name will keep that name highlighted while you do the same with more names. Then you only have to click Add once and all highlighted names will be added to the right-hand box. 35

36 To send an to EVERYBODY in the group, click Add All and then Next. (Notice that you can remove some or all of the names from the recipient list by highlighting names on the right and clicking <<Remove.) 36
