4 Card Link Online enables customers to manage important aspects of their Card Link accounts including PIN changes, product ordering, administration and cancellation of account cards. Card Link Online provides easier access to important reporting tools used by customers to track and manage their fuel usage. UFA s Card Link Online Customer User Guide is designed to provide Users with instructions on navigating the web application. For additional instruction or support, contact UFA Cardlock , Monday Friday, 7 am 5 pm MST or via Cardlock@UFA.com. The UFA Cardlock Support Team is not available for business on weekends or statutory holidays. New Card Link Online User Access Launch into the Card Link Online Web Application Launch the Website UFAPetro.com Customers not registered for online account can sign up for Card Link Online by clicking on Sign up for Card Link Access.

5 Roles for User Management Web Manager- access to run reports, order cards and setup additional Users on the account. They can also make changes to User profiles Admins- access to run reports and manage cards. Cannot create or make changes to User accounts Viewers- access to run reports view account/card activity. Cannot update card values Note: The first Card Link Online account User created by UFA for your company is a Web Manager. The Web Manager will then set up and manage all User profiles for your company. Complete the online application form below: Fill in the list of fields. Click on Continue.

6 Select a Username username must be unique. The system will not allow duplicates. Select a Password minimum of 6 characters including 1 number. Retype Password must match what is entered in the New Password field above. Click on Continue.

7 Select your 3 Security Questions for User Authentication. Click on Continue.

8 Once approved, a Welcome to Card Link Online will be sent to the User. One of the following two screens will display: The screen below is for an initial setup of an account s Web Manager on Card Link Online. Applicants are contacted by UFA via phone to confirm their Card Link Online access request. Once approved, a Welcome to Card Link Online will be sent. The screen below is for accounts with a Web Manager already assigned on Card Link Online. Once you have completed the User Access Request and it has been received by UFA, applicants will be contacted by their Web Manager to confirm their Card Link Online access request.

9 UFA Credit Account Application Customers wanting to apply for a UFA credit account, click on Apply for Credit Today. Select, download and complete the.pdf Credit Application form. Deliver to any UFA Petroleum Agency or UFA Farm & Ranch store along with one piece of government issued photo identification for applicant verification and application processing.

11 Current Card Link Online User Access Accessing Card Link Online Launch Web Application Launch the Card Link Online Website UFAPetro.com Click on Log In Enter your Username and Password to log onto Card Link Online Tip: Select Remember Me and the next time you log in from the same computer the system will auto populate your username.

12 Card Link Online Account Security Access to Card Link Online accounts are security protected. Users are required to select three (3) security questions that will verify User identity and manage the security on the account.

13 From the drop down list, select the questions that you can remember for authentication: Fill in your answers, and click Submit. Forgot your Username or Password?

14 Username Select Recover it here Provide your UFA account number and address and correctly answer your previously selected security question to validate your profile. Card Link Online will your Username to your on file address. Note: After three failed attempts to log in, your User ID will be disabled. To regain access contact, UFA Cardlock ( ), Monday - Friday, 7 am 5 pm MST. Password Select recover it here. Provide your Username. Card Link Online will verify your profile and you a Reset Password hyperlink to UFA s Security Question page. You are required to correctly answer the security question on file. If successful, you will be asked to input a New Password. Note: After three failed attempts to log in, your User ID will be disabled. Card Link Online Account Management Card Link Online is designed to offer customer options for managing and viewing their account. A grid view format allows Users to apply various search criteria to view and analyze account information. Columns of data will vary from page to page but the grid view will remain the same. Alternate Mailing Addresses To add an alternate mailing address on an account, the Customer is required to contact UFA at ( ) Monday - Friday, 7 am 5 pm MST or via at Cardlink@UFA.com. Once the alternate mailing address is updated in Card Link Online, the alternate address can be selected when requesting or replacing a fuel card. Account Management Page The Account Management page is the initial screen that displays when Users log on.

16 The Account Info tabs provide Users with options for viewing customer information: Permit Information visible to UFA and Card Link Online Users Users can view permits attached to an account, or request to view a permit. Attaching a permit to an account allows the Customer access to marked/restricted fuels. Restricted Fuels Request - you can Request Restricted Fuel permits by entering the Permit Number and selecting the Permit Type Click Submit for processing. An is sent to UFA for review and approval. If a permit request is declined, UFA will contact you.

17 The Card Info tab provides Users with options for viewing fuel card information: Status Update Users can change the status on multiple cards with one update Select Update card status to. The system will search the database and display cards that are not assigned to the status selected for revision.

18 To select specific accounts, click their check box. Select all the cards displayed by clicking on the Check All box in the grid selection area. Example: In the image below all cards have been selected by clicking the top Select All button. For Suspended or Cancelled cards select a Reason using the drop down list. Options are: Lost, Stolen, Ex-Employee, Other

19 Provide a Comment to explain reason for Card Status Update. A pop-up window will appear to finalize your selection. Click Update. A Confirmation will appear providing a Confirmation Number every time a card s status is updated to Cancelled or Suspended.

20 Exporting Card Report Information This option is used to view or export the attributes of your card(s). Any report can be exported to a PC by clicking on the diskette icon. Four output options are provided: CSV, PDF, EXCEL and TIFF. In the Card Info tab click on Export cards to execute. A new Fuel Card Report window will appear. You may select multiple cards, and then click on View Report. `

21 The following Fuel Card Report will be pulled: You may revise your selection by clicking on the Card Status drop down list, and then click on the View report button. Select the file type you want to export, if required.

22 A window will appear asking if you want to Open the file or Save it. Create a New UFA Fuel Card Note: All new card additions will be created with the status of New Suspended and available for modification the next business day. From the Account Management view, select Create New Card or Template. Select Create UFA Fuel Card.

23 Click Continue. Note: If the Card Link Online account is cash only, UFA Fuel Link cards will be the only option to select. Fill in the following fields to select the card attributes you require: Populate from template- use a template from the drop down list. If a template is created for the account, the values are auto populated

24 Send to Address default is main account address. If the account has an alternate address, select the preferred mailing address from the drop down list. Note: Customers can request an alternate mailing address so that a card can be mailed to a regional office instead of to the account s main office. An alternate shipping address can expedite a card s delivery. They are set up by UFA Card Link Online Administrators. The Customer must contact Cardlock ( ) to update their account with alternate addresses. PIN Number enter a 4 - digit number or the system will auto generate a number.

25 Authorized Products select the appropriate group for the card(s). Only the product groups with assigned permits for the account will display Per Fill Limit - Allows the selection of Per transaction or Daily liter limit. If Per TXN limit is selected the value indicates how many liters per transaction the card is authorized to dispense. If Daily limit is selected, the value indicates how many liters the card can dispense in a day. From the drop down list, select the Volume Limit for the card(s).

26 Unauthorized Locations default is No Restrictions. Select Add to view Unauthorized locations list.

27 Select a Province to restrict all locations in that province, or select a specific site: Select Continue to return to the Request a new UFA Cardlock Card view. Add is now changed to Modify.

Daily Transaction Limit this value is the number of transactions the card is allowed in a single day (00:00Hrs to 24:00Hrs) when PER TRANSACTION is selected in the liters section. This value is not used when Daily limit is selected in the liters section.

32 Unit/Vehicle Number displayed on the face of the physical UFA card, 7 characters maximum. You can use this area to display other information if required. Note: The word "UNIT" will be printed on the physical card before the information you have placed in this field. The unit/vehicle value will also be reported on the Fuel Usage Report.

33 Unit Description 20 characters maximum to be displayed on the face of the physical card.

34 Card Tracking lines - Card tracking lines 1,2 & 3 are available for the customer to enter any values they wish to for their own tracking purposes.

35 Number of Cards default is 1 card to be created. If you require multiple cards, please note each card will have a unique number Comment open text field to record a reason why the new card(s) is being created. Select Submit when the form is completed. A green banner will display saying the UFA Card has been successfully requested.

36 Edit a UFA Fuel Card From the Account Management view select Card # to edit.

37 The edit UFA Cardlock card view will display. Fill in the following fields: Re-issue Card this field is displayed for active cards. Select to replace a faulty or damaged card. Reissuing a card creates a new card number. The old card is automatically canceled in 60 days.

38 Include a check mark and comment to complete the Re-issue Card request. Click Submit. A Green Banner will display when successfully completed Send to Address the Main Address for the account is the default. If setup, you can choose from a drop down list an alternate ship to location. Note: Alternate Addresses can only be setup by UFA Admin personnel so the customer must contact the UFA Cardlock Team ( ) for an addition to the list.

39 PIN Number PIN must be 4-digits long, and can be changed here to whatever 4-digit number you want. Authorized Products from the drop down list select the appropriate product group that is required for the card.

40 Liter Limit from the drop down list select what volume limit you want for this card. Plus select either Per transaction limit or Daily limit. Status from the drop down list select what Status you want the card to be. Note: Not all status will display, only allowable status for the card will display.

41 Unauthorized Locations default is No Restrictions. Click on Modify to bring up Unauthorized locations list where you can make changes.

42 Authorized Transaction Times Default is 24/7 (No Restrictions). Click on Modify to bring up the Authorized Transaction Time page to make changes.

43 Daily Transaction Limit this value is the number of transactions the card is allowed in a single day 00:00:00 to Midnight. This limit is only valid when PER TXN LIMIT is selected for Liters.

44 Reset Daily Transaction Count if you have exceeded your transaction daily limit, you can reset back to a zero value. To reset, click on Reset Daily Transaction Count. Include a check mark and comment to complete the Reset Daily Transaction Count request. Click Submit.

45 Prompt Sequence from the drop down list, select the prompts you require to see at the card reader. Click, Submit when completed. A green banner will display saying the card has been successfully updated.

46 Create a New Fuel Link Card On the Account Management view select Create New Card or Template to display the cards and templates available for the account. Select Create new Card or Template for account. Select Create UFA Fuel Link Card and Continue. Note: If the Card Link Online account is cash only, UFA Fuel Link cards will be the only option to select.

47 If you need a new Fuel Link Card, fill in the following fields: Send to Address select the mailing address from the drop down list. Note: Additional mailing addresses can only be added by UFA. The Customer must contact the UFA Cardlock ( ) to update their account.

48 Authorized Products from the drop down menu select the appropriate group for the card(s) Only the product groups with assigned permits for the account will display: Emboss Line 1 information displayed on the card. Default is the name on the account.

49 Emboss Line 2 second line that will display on the card. Unit/Vehicle number displayed on the UFA card, 7 characters maximum. You can use this area to display other information if required. Order New UFA/CFN Co-branded Cards UFA/CFN Co-branded cards can be ordered by contacting the Cardlock Support Desk at ( ).

52 Create or Edit a Card Template Templates are used to reduce the effort to setup multiple cards with the same parameters. From the Account Management view, select Create new Card or Template for an account. Select Create UFA Fuel Card Template. Note: If the Card Link Online account is cash only, UFA Fuel Link cards will be the only option to select. Click Continue.

53 The Create New Template screen will appear. Click Existing Template. The Edit Existing Template screen will appear.

66 Delete a UFA Fuel Card Template To delete from the Account Management view, select Create New Card or Template. The Create/Edit new Card or Template for account screen will display: Click Edit UFA Fuel Card Template.

67 From the Create New Template screen, select the Template Name from the drop down list: From the drop down list select the template to Delete. A confirmation message Are you sure you want to delete this template? will display: Select Delete to complete.

68 Once deleted, a green banner will display showing the successful deletion. Copy a Card This feature is used to copy the parameters of a card to one or multiple existing cards. From the Account Management screen click on the Card Info tab. Select Card # field to copy.

69 Click on Copy Card. The Copy Card Attributes screen will display:

70 Check mark the card attributes you would like to copy from the card selected. Select the cards you want the attributes to be attached to. Click on Copy to complete. A confirmation screen will display: Click on Copy to complete. A green banner will display a successful update message.

71 User Management Card Link Online offers customers the option of providing multiple Users access to an account. Creating New Card Link Online Users On the User Management view, select Create Users. Each User created is assigned a Role. Note: Each role has different data and site administration rights.

72 The Web Manager completes the User Registration Form below for all new account Users: *is a required field The following Create a User fields will display: Role from the pull down list select the access you wish to provide this User Account(s) enter account number(s) the User will have access to Note: This field is only applicable if the customer has multiple accounts with UFA First name User s first name Last name User s last name User s address. This is the address where a Password Reset notification will be sent Confirm re-enter the address to ensure the fields match each other Company name of the User s company Office, Mobile, Home Phone Number one contact number must be entered Username username must be unique. The system will not allow duplicates New Password minimum of 6 characters including 1 number Retype Password must match what is entered in the New Password field above

73 Once all the fields are filled in, click Submit. A green banner will display confirming the User was created successfully. Edit a Card Link Online User From the User Management view, enter in the Username to be edited. Select the Username to view the Edit Card Link User page:

74 Once the Edit Card Link Online User page is displayed, revisions can be made to any of the following fields: First Name / Last name - assigned to a particular User ID on the system. Changing these fields does not change the name(s) attached to the account - update if the User has a new address or it was originally entered incorrectly Phone Number(s) update any User changes Role assign User a new role - Viewer, Admin or Web Manager Account Users can be created with access to one or multiple accounts by selecting from the drop down menu options User Status - allows or restricts a User s access to Card Link Online

75 Delete a Card Link Online User Select Username and Delete User. A confirmation message will display to ensure you want to Delete User. Resetting Card Link Online User Security Questions If a User cannot remember their security questions, they can request to have the questions reset. Security question resets for non-commercial accounts are managed by UFA. To have your questions reset, please contact UFA Cardlock ( ). Commercial Account holders will need to contact their Web Manager for question resets.

76 Click on your User ID in the upper right corner to access the Edit Card Link User screen. From the Edit Card Link User screen, select the Security Questions tab. Check mark Reset Security Questions, then provide a reason for the reset by filling in a Comment.

77 Click, Update. When the Please Confirm message is displayed, click OK. Note: the next time the User logs in, they will be asked to select new Security Questions. Changing Card Link Online Password by User The ability to modify your own password is available on the system. Click on your User ID in the upper right corner to access the Edit Card Link User screen.

78 From the Edit Card Link User screen, select the Password Reset tab. To reset your password, fill in your Old Password and a New Password, then Retype Password to confirm. After providing a reason for the change in the Comments section, click on Update. The system will display the password successfully changed banner when completed.

79 Resetting Card Link Online Password by a User If a User forgets their password they can reset it by following the instructions below. If a User has forgotten their password, they may select Recover it Here.

80 A confirmation message will display asking the User to fill in their Username. Click Continue. The following confirmation screen will display: Note: if an does not arrive in your inbox, you may select Resend the . A message will then be sent to the User s address with a hyperlink to the Reset Password screen.

81 Once the User has selected Reset Password in the , they will be asked to answer a security question. Click Continue. To reset your password, fill in your New Password, then Retype Password to confirm. Click Continue. A message will display saying the password has been successfully changed. Note: a UFA Administrator can also reset a User s password. If a Web Manager needs to reset a password on behalf of the User, they will need to click on Log in from the main Card Link Online page.

82 Resetting Card Link Online Password by Web Manager If a Web Manager needs to reset a password on behalf of the User, they can click on Log in from the main Card Link Online page. The Web Manager will enter their Username and Password.

83 From the Account Management page, select User Management. Once the User Management screen is loaded, select a User by clicking on their Username.

84 The Edit Card Link User screen will display, select the Password Reset tab. Click on the Reset Password box. Provide a reason for the change in Comments, click Update. The following confirmation message will display: Click OK. A message will then be sent to the User s address with a hyperlink to the Reset Password screen.

85 New User(s) to Approve Web Manager The Web Manager will need to Approve or Decline new User requests in the Workflow Items screen. From the side navigation menu on the Workflow Items screen, select Dashboard Reports. Select Workflow Items - New user(s) to approve. Click on a Username to modify the requester s status in the Edit Card Link User screen.

86 To approve a request, select Active from the drop down menu: Provide a reason in the Comments section. Click Submit. A green banner will display saying the User has been saved successfully.

87 To decline a request, click on the Username to modify the requester s status in the Edit Card Link User screen. Select Delete User. A following confirmation message will display asking if you want to delete the User: Click OK. A green banner will display saying the user has been successfully deleted.

88 Stolen Card When a card is reported stolen, UFA will change the card s status to Cancelled or Suspended in Card Link Online and the reason is recorded as Stolen. From the Account Management screen, select Stolen Cards from the Side Navigation Menu. The Workflow Items view will display, enabling Users to view their cards reported as Stolen. Select, cards have been reported stolen to view the Stolen Cards report. Note: a card flagged as Stolen cannot be used. UFA will initiate an investigation and update the card s profile with a Comment.

89 Inactive Cards From the Account Management screen, select User Management from the Side Navigation Menu. The Workflow Items screen allows Users to view all cards have not used in the last 6 months. If you click on the Workflow Item, Card(s) have not been used in 6 months it will take you directly to the Dormant Card Report.

90 Card Link Online Reports The following reports can be used to manage fuel usage, cards and User accounts. From the Account Management screen, select Dashboard Reports to open the My Reports view. Dormant Card Report The Dormant Card Report allows Users to select Last Used dates ranging from 3 23 months. All cards not used during a specified period will display in the report.

91 Fill in the following fields to pull a Dormant Card Report: Last Used the selection range for the dormant cards to be included in the report Expires in - allows Users to select from a drop down list of multiple criteria Expand All select true or false if you would like all the account views expanded Example: 1 year, starting 3 months from today or all. Once all the fields are filled in, click View Report. To drill down on a specific card select the + and the card information will display.

92 Fuel Card Usage Report The Fuel Card Usage Report provides Users with a range of options to extract fuel transaction information. This report can be used to monitor potential card fraud, theft, or to extract all sales for a specific fuel card or an account. To pull a Fuel Card Usage Report, fill in the following fields: Start Date / End Date select Start Date and End Date for historical transactions. Twenty-four (24) months of transactional data history is available. For transactional information older than 24 months, contact UFA by ing Cardlink@UFA.com and request a detailed purchase history report Account Number(s) - use commas (not spaces) to separate account numbers Card Number(s) - use commas (not spaces) to separate card numbers Daily Transactions Greater Than the field default is set to 5 transactions but can be changed to any number. Enter zero 0, to select all transactions. This field cannot be left blank. Entering Daily Transactions Greater Than 6 and selecting a Start Date and End Date will show accounts with more than 6 transactions in a day Card Type select card type from the drop down list Expand All: True/False field default is False. Users can drill down by selecting + Search By options are Transactional Date or Billing Date Product Select which product(s) you wish to display on the report. Default is all products. Location - Select which Location(s) you wish to display on the report. Default is all locations. Display card tracking Yes or No. Will remove card tracking columns from the display of the report.

94 Card Audit Report All changes made to a fuel card(s) are captured in a Card Audit Report. Once you have selected the criteria, click View Report.

96 Account Association & Searches on Card Link Online Account Association Account Association is used to manage multiple accounts with one User ID. To setup access to multiple accounts, the Web Manager must submit a request via Cardlock@UFA.com or contact the UFA Cardlock Team at Searching Card Link Online Card Link Online offers Users several search options for viewing and reporting account information. The Account Management Dashboard offers four search options: Account number Enter the account number to be directed to your account automatically. 97 Card Number Enter the UFA card number to manage your card information and attributes. Account Phone Number Enter a phone number to be automatically directed to an account. Users with access to multiple accounts can enter a phone number and all accounts assigned to that phone number will display. Account Name Search specific or generic names with this option. Wildcard (*) Search Option Wildcards can be used to search by Account Name. Example *jones* will return any name with jones anywhere in the account name. Another wildcard (*) search option is to place the wild card option before Jones - *Jones or shorten versions of the search criteria - Jon*.
