7 Overview Full resynchronization of public folders, mailboxes, and calendars is a complex procedure that requires planning. It is usually performed for advanced troubleshooting when some of the source messages or folders were not synchronized to the target mailbox or public folder. Resynchronization should be performed only when it is recommended by the Quest Technical Support. The steps required to resynchronize public folders, mailboxes and calendars using Quest Exchange Migration Wizard depend on the problem to be addressed. The table below lists the problems covered in this document and the section where the steps to fix each problem can be found. Terminology Used Source servers: The Exchange 5.5 servers from the Exchange Migration Wizard agents copy the data. Target servers: The servers to which the Exchange Migration Wizard agents copy the data. Console: The computer on which Exchange Migration Wizard is installed. In the remainder of this document: Exchange 2003 denotes Exchange 2000 and Exchange 2003 organizations, servers, mailboxes, etc. Exchange 200x denotes Exchange 2000, Exchange 2003 and Exchange 2007 organizations, servers, mailboxes, etc. 5

8 Quest Exchange Migration Wizard Common Issues The table below shows the list of common problems you may experience during Exchange migration and links to sections in the document below that contain the resolution procedures for each problem. PROBLEM OBJECTS REFER TO Messages or calendar items missing on target: Some messages existing on the source server were not copied to the target server by the Exchange Migration Wizard agents. Folders missing on target: Some of the folders on the source server were not copied to the target server by the Exchange Migration Wizard agents. Excess public folders on target: Some of the folders deleted by users from the source server were not deleted from the corresponding target public folder servers by the Exchange Migration Wizard agents. You are sure that these folders are actually unnecessary and that you will never need to restore them. Excess messages on target: Some of the messages deleted by users from the source public folder were not deleted from the corresponding target public folder by the Exchange Migration Wizard agents. Public folder messages deleted from the target server need to be restored. Public folders or messages were deleted from the target server and need to be restored. However, none of the workarounds described under Problem 1, Problem 2 and Problem 3 sections helps to restore them. Some of the Mailbox messages or calendar items were accidentally deleted from the Exchange 2003 mailboxes or calendar folders need to be restored. 10 Quest Exchange Migration Wizard Problem 1. Data Missing on Target If some of the source folders or messages were not synchronized to the target, take the following steps to resynchronize public folders, mailboxes, or calendars: Step 1. Stop the Exchange Migration Wizard Agents 1. Stop the source agent running on the source server. 2. Let the transmission and target agents attempt to process or archive the PST files. a) If these agents are able to process all the PST files, the problem is resolved. Simply restart the source agent. Do not take the remaining steps in this section. b) If the transmission and target agents cannot process the PST files, stop all Exchange Migration Wizard agents and delete all the PST files (including the archived PST files) from the source and target servers. Proceed to Step II. Step 2. Either Clean Up the Source Folder that Was Not Synchronized, or Resynchronize the whole Collection Choose either to clean up the source folder or to resynchronize the whole collection based on the number of folders not copied to the target, as explained below. Note that if you perform a full resynchronization, all the data represented by the public folders collection will be copied to the target server. If you clean up the folders, some moved and deleted objects may be not synchronized to the target server. Option 1. Clean Up the Source Folder This option is recommended if only a few folders were not copied to the target. To clean up the source folder, use the EMW Cleanup Wizard. For more information on the EMW Cleanup Wizard, please refer to the Exchange Migration Wizard Resource Kit User Guide. 8 If the folder was copied to the target by the Exchange Migration Wizard agents (i.e. the corresponding Exchange 2003 public folder exists), it is strongly recommended not to clean up the corresponding source folder. In this case it is recommended to resynchronize the whole collection.

Resynchronize the Whole Collection If many folders were not copied to the target, it is recommended that you resynchronize the whole collection by modifying the properties of the collections or synchronization jobs as follows: To resynchronize public folders, select the Resynchronize public folders contents only and Resynchronize only folders permissions, rules and folder-associated information check boxes on the Synchronization page of the public folder collection Properties dialog box. To resynchronize mailbox items, select the Resynchronize mailbox contents only and Resynchronize only mailbox folders permissions, rules and folder-associated information check boxes on the Synchronization page of the mailbox collection Properties dialog box. To resynchronize calendars, select the Synchronize all calendar entries, including the data previously sent to the target mailbox check box on the Synchronization page of the calendar synchronization job Properties dialog box. Specify the direction of the resynchronization as being from the source server to the target server and commit the changes for the synchronization job. Step 3. Restart the Exchange Migration Wizard Agents If you perform a full resynchronization, some of the items deleted from the source folder during this process may not be synchronized. After you restart the agents, you must wait until they complete their first synchronization session. Do not stop the agents during this session. 9

Excess Public Folders on Target If public folders deleted from the source server were not deleted from the target, and you are sure they have to be deleted, you should delete them from the target server manually. Restoring deleted folders is difficult, so make sure you do not need the folders before you delete them. 10

Resynchronizing Public Folder Messages If some target messages were not deleted from the target folders by the Exchange Migration Wizard public folder synchronization agents, and you want to delete them from the target, take the following steps. Restoring deleted messages is difficult, so make sure you do not need the messages before you delete them. 1. Stop all Exchange Migration Wizard agents. 2. Delete all messages from the target folder in which some excessive messages are found. 3. Move the source messages from the corresponding source folder to the temporary folder on the source server. 4. Move the source messages back from the temporary folder. Thus, the new messages are created by the user and no tombstones are created by Exchange Server because they are treated as new messages. 5. Delete the temporary folder previously created on the source server. 6. Start the Exchange Migration Wizard public folder synchronization agents and let them synchronize these source messages. When the messages are moved or copied to another folder, their Author will be changed to the mailbox that performed the move. To restore the real author of a message with the right to edit and delete it, grant the author Editor rights for the public folder. 11

14 Quest Exchange Migration Wizard Problem 4: Restoring Deleted Folders Restoring public folders is a painful procedure. To avoid accidental public folder deletions always use temporary test folders for your pilot public folder migrations. Make sure that you never delete the folders that you actually need on target. Because Exchange Server does not allow the re-creation of deleted items, full resynchronization will not restore deleted folders. Instead, you can create new folders and copy all the contents of the deleted folders to the new folders. Follow either the two-way or the one-way synchronization scenario described below. If you delete public folders the so called source keys of the folders get tombstoned by Exchange. This prevents Exchange from creating new items with the same source keys. The procedure below provides instructions on how you can regenerate new source keys for the data by copying it from one folder to another. Once the items get new source keys no conflict prevents data synchronization. Two-Way Public Folder Synchronization Check whether the Aelita EMW Recycle Bin folder was created on the server, and do one of the following: If the Aelita EMW Recycle Bin folder was created on the source or target servers, then items deleted from the server are moved to this folder. You can restore a deleted folder from the Aelita EMW Recycle Bin by taking the following steps: a) Stop all Exchange Migration Wizard public folder synchronization agents. b) Copy the folder from the Aelita EMW Recycle Bin on the target or source server to its previous location on the target server. c) Clean the folder with the help of the EMW Cleanup Wizard. For more information refer to the Exchange Migration Wizard Resource Kit User Guide document. d) Start the Exchange Migration Wizard public folder synchronization agents. 12

15 Resynchronizing Public Folders, Mailboxes, and Calendars If the Aelita EMW Recycle Bin folder was not created on the server, then the deletion will be synchronized back to the source, and you have to restore the folders from a backup copy. The Aelita EMW Recycle Bin folder is being used for folder deletions only. So if you accidentally delete a folder the folder and its content can be recovered from the Aelita EMW Recycle Bin. However, if an individual message is deleted and deletes are being synchronized Exchange Migration Wizard will delete the corresponding message on the other side. If this procedure does not solve the problem, then go to Public Folder Tombstone Cleanup section below. One-Way Public Folder Synchronization If the public folder was deleted during one-way public folder synchronization, do the following: 1. Stop all Exchange Migration Wizard public folder synchronization agents 2. Move the source folder corresponding to the accidentally deleted target folder to a temporary folder on the source server. 3. Copy the folder from the temporary folder to its previous location on the source server. 4. Clean up the folder using the EMW Cleanup Wizard. For more information, refer to the Exchange Migration Wizard Resource Kit - User Guide document. 5. Delete the temporary folder. 6. Start the Exchange Migration Wizard public folder synchronization agents. If this procedure does not solve the problem, then go to Public Folder Tombstone Cleanup section below. 13

16 Quest Exchange Migration Wizard Public Folder Tombstone Cleanup If you have tried unsuccessfully to restore deleted folders using the procedures above, then you may need to clean up tombstones to solve the problem. Microsoft Exchange Server keeps track of the IDs of deleted folders and messages in tombstones. No deleted mailbox folder, public folder, or message can be recreated until a tombstone exists for it. Cleaning up the tombstones created by Exchange Server is both dangerous and time consuming. Therefore, before deleting any items, you should make sure that you will not need them in the future. The steps below are provided for general information on tombstone clean up procedure and the tasks that need to be done in Exchange Migration Wizard during the procedure.however, tombstones are a part of internal Microsoft Exchange implementation and are not in the scope of Quest responsibility. Make sure that you contact Microsoft PSS before deleting Exchange tombstones. For detailed information about tombstones, please refer to the Microsoft Knowledge Base Article XADM: Folders Deleted at Subscriber May Not Be Replicated Again. The procedure for cleaning up tombstones differs for different versions of Exchange Server: FOR THIS VERSION OF EXCHANGE SEE THIS SECTION Exchange 2003 Exchange 5.5 Exchange 2003 Public Folder Tombstone Cleanup Exchange 5.5 Public Folder Tombstone Cleanup Exchange 2003 has a limitation of being able to clean up at the most 500 tombstones in any 24 hour period. Thus, if many public folders got occasionally deleted cleaning up the tombstones might take considerable time 14

17 Resynchronizing Public Folders, Mailboxes, and Calendars Exchange 2003 Public Folder Tombstone Cleanup To delete the public folders from Exchange 2003 server and then resynchronize these folders using Exchange Migration Wizard, take the following steps: Step 1. Make Sure that all PUB Files Are Delivered and then Stop the Exchange Migration Wizard Agents If the PUB files cannot be delivered for some reason, delete these files from the source and target servers after stopping the agents. Step 2. Delete the Tombstones Created by Exchange 2003 Take the following steps on all the Exchange servers where the public folders are homed and where the public folders are replicated. Make sure to contact Microsoft PSS before following the procedure. 1. From the Exchange 2003 server, delete the public folders to be resynchronized to the target server. If the Deleted Items Retention Period option is set for the items being deleted, then you should also delete the folders to be resynchronized from the Soft Deletes folder. This can be done using the Recover Deleted Items command from the Tools menu in Microsoft Outlook, To do so, you must first install the Deleted Item Recovery Add-In. 2. Make sure that the deletions performed in Step 1 are replicated to all the servers to which the public folders are replicated. Make sure that the folder hierarchy is also replicated to all the servers. 15

In the Exchange System Manager, right-click the appropriate Public Folder store, select the Properties command from the shortcut menu, and open the Database tab. a) Click the Customize button b) Select the 15 Minute option in the Schedule dialog box, mark the whole schedule list as shown above, and click OK in all the open dialog boxes. 16

Run the regedit command and find the registry keys corresponding to the following template: HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Service s\msexchangeis\[server_name]\public-[guid] 5. Set the following parameters for all the registry keys corresponding to the preceding template: (DWORD) Replication Folder Tombstone Age Limit = 0 (DWORD) Background Cleanup = 1 (DWORD) Replication Event Log = 1 Step 5 should be performed for the all the registry keys that suite the template specified in step Restart the MSExchangeIS service. 7. Wait about minutes and look in the Application event log for the following events: Source ESE Category: Online Defragmentation Event: 700 If these events do not appear, wait and check again until they do appear. 8. Wait for some time and look into the next event which should look as follows: Source ESE Category: Online Defragmentation Event: 701 Make sure that the Exchange 2003 public (not private) information store has been defragmented by checking the event log for the following event: Information Store (548) Online defragmentation has completed a full pass on database C:\Program Files\Exchsrvr\mdbdata\pub1.edb. 9. The tombstones are now deleted. Now you need to set all the parameters changed for the Public Folder store (see step 3) and for the registry key (see steps 4, 5) to their original values. 10. Restart the MSExchangeIS service You should repeat the preceding steps for all the public folder servers where public folders are stored and for all the servers to which public folders are replicated. 17

Modify the Properties of the Public Folder Collection To resynchronize public folders, select the Resynchronize public folders contents only and Resynchronize only folders permissions, rules and folder-associated information check boxes on the Synchronization page of the public folder collection Properties dialog box. Step 4. Select the Direction of Resynchronization Select the direction of the resynchronization from the source server to the target server and commit the changes for the public folders synchronization job. Step 5. Restart the Exchange Migration Wizard Agents Restart the previously stopped Exchange Migration Wizard agents to complete the operation. Exchange 5.5 Public Folder Tombstone Cleanup To delete the public folders from Exchange 5.5 server and then resynchronize these folders using Exchange Migration Wizard, take the following steps: Step 1. Make Sure that all PUB Files Are Delivered and then Stop the Exchange Migration Wizard Agents If the files cannot be delivered for some reason, then delete these files from the source and target servers after stopping the agents. 18

21 Resynchronizing Public Folders, Mailboxes, and Calendars Step 2. Delete the Tombstones Created by Exchange 5.5. Take the following steps for all the Exchange servers where the public folders are homed and where the public folders are replicated. Make sure to contact Microsoft PSS before following the procedure. 1. From the Exchange 5.5 server, delete the public folders to be resynchronized to the source server. If the Deleted Items Retention Period option is set for the items being deleted, then also delete the folders to be resynchronized from the Soft Deletes folder. This can be done using the Recover Deleted Items command from the Tools menu in Microsoft Outlook, To do so, you must first install the Deleted Item Recovery Add-In. 2. Make sure that the deletions performed in Step 1 are replicated to all the servers to which the public folders are replicated. Make sure that the folder hierarchy is also replicated to all the servers. 3. In the Microsoft Exchange Administrator, right-click the appropriate public folder server, open the Properties dialog box, and select the IS Maintenance tab. Select the 15 Minute option in the Detail View group, mark the whole schedule list as shown above, and click OK. 4. Run the regedit command and find the following registry key: HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Service s\msexchangeis\parameterspublic 19

Set the following parameters for the preceding Exchange 5.5 registry key: (DWORD) Replication Folder Tombstone Age Limit = 0 (DWORD) Background Cleanup = 1 (DWORD) Replication Event Log = 1 6. Restart the MSExchangeIS service. 7. Wait about minutes and look in the Application event log for the following events: Source ESE Category : Online Defragmentation Event: 179 If these events do not appear, wait and check again until they do appear. 8. Wait for some time and look into the next event which should look as follows: Source ESE Category : Online Defragmentation Event: 180 Make sure that the Exchange 2003 public (not private) information store has been defragmented by checking the event log for the following event: MSExchangeIS (297) Online defragmentation has completed a full pass on database D:\exchsrvr\MDBDATA\PUB.EDB. 9. The tombstones are now deleted. Now you should set all the parameters changed for the Public Folder store (see step 3) and for the registry key (see steps 4, 5) to their original values. 10. Restart the MSExchangeIS service again. You should repeat the preceding steps for all the public folder servers where public folders are homed and for all the servers to which public folders are replicated. 20

Modify the Properties of the Public Folder Collection To resynchronize public folders, select the Resynchronize public folders contents only and Resynchronize only folders permissions, rules and folder-associated information check boxes on the Synchronization page of the public folder collection Properties dialog box. Step 4. Select the Direction of Resynchronization Select the direction of the resynchronization as being from Exchange 5.5 server to Exchange 2003 server and commit the changes for the public folders synchronization job. Step 5. Restart the Exchange Migration Wizard Agents Restart the previously stopped Exchange Migration Wizard agents to complete the operation. 21

24 Quest Exchange Migration Wizard Problem 5: Restoring Mailbox and Calendar Items You cannot delete mailbox and calendar tombstones in the same way as public folder tombstones because there are folders (Deleted Items, Inbox, Outbox, and Sent Items) that can never be deleted from a mailbox. Therefore, to resynchronize mailbox or calendar items, you need to completely delete the mailbox and perform its directory and mail resynchronization, as follows: Step 1. Make Sure that all PUB Files Are Delivered and then Stop all the Exchange Migration Wizard Agents If the PUB files cannot be delivered for some reason, then delete these files from the source and target servers after stopping the agents. Step 2. Delete the Mailbox To delete the mailbox, do the following: 1. Find the Private Store the mailbox belongs to. 2. Delete the mailbox using the Exchange Tasks wizard from the Active Directory Users and Computers snap-in. 3. If the Do not permanently delete mailboxes until store has been backed up check box is selected in the mailbox store Properties dialog box (see the Limit tab in the Mailbox Store Properties dialog in Exchange System Manager), then back up the store. 4. From Exchange System Manager, run the Cleanup Agent. 5. 25 Resynchronizing Public Folders, Mailboxes, and Calendars Step 3. Resynchronize Mailboxes Make the Directory Synchronization Agent re-synchronize the mailboxes to create the Exchange 2003 mailboxes. Step 4. Modify the Properties of the Mailbox Collection Job, the Calendar Synchronization Job, or both To resynchronize mailboxes, select the Resynchronize mailbox contents only and Resynchronize only mailbox folders permissions, rules and folder-associated information check boxes in the Synchronization page of the mailbox collection Properties dialog box. To resynchronize calendars, select the Synchronize all calendar entries, including the data previously sent to the target mailbox check box in the Synchronization page of the calendar synchronization job Properties dialog box.select this check box if you want to re-synchronize mailbox folders permissions granted by the user, rules and other folder-associated information, even if all this data was previously copied to the target server. Step 5. Restart the Exchange Migration Wizard Agents Restart the previously stopped Exchange Migration Wizard agents to complete the operation. 23
