1 UPDATES TO NEWSLETTERS Newsletter Updates Including CSV Upload and Formatting Updates epethealth offers the ability to send custom Newsletters to clients of the practice. With this latest addition, the practice can now upload a CSV (comma separated value) file to further determine what clients receive the Newsletter. Updates to the formatting of the have also been made, in an effort to ensure that the received by the Pet Owner is a good representation of the Newsletter shown in epethealth. All instructional verbiage on the page has been updated with new Tooltips to give additional information about a feature. CSV Upload 1. Practices may now send Newsletters to a hand-picked set of clients by using the CSV Upload feature. The newsletter will only be ed to the clients in the file; CSV and the Filters options (Filters tab) cannot be used for the same mailing. Mailings could include all active clients, all senior dogs, even addresses for individuals not extracted from the Practice Management System (PMS), such as for an Open House mailing. If existing epethealth users are found in the CSV file, Newsletters will be sent based on their current subscription to epethealth Newsletters. 2. The CSV file has specific guidelines that must be followed in order to ensure an accurate and efficient upload. a. The CSV file MUST be in CSV (comma separated value) format, either exported directly from the PMS or created manually using Microsoft Excel. b. If created using Excel, save the file as a CSV file once complete. Do not simply rename an existing Excel spreadsheet as a.csv file, as this will not accurately create a proper CSV file. 1 P a g e

2 With the spreadsheet open in Excel, go to File and choose Save As. Browse to the location on your computer where you would like to to save the file. Name the file however you like, then click the drop down list for Save As Type and choose CSV (Comma delimited)(*.csv). c. The CSV file will support the use of Insert Values (Merge Words) in the body of the Newsletter, if the text is included in the CSV file. Column names are REQUIRED in the CSV file, with the following requirements: Column names MUST match EXACTLY as listed below, or the data will NOT be included in the upload. Column names are not case sensitive. Column order is not set, and columns can be in any order. Any columns included that are NOT supported, will NOT be included in the upload. Supported column names: o This is the only REQUIRED column. Any rows not including an will not be uploaded. o s must be in the normal format of something@something.com o Only ONE per row is supported. o Only ONE is required to upload a CSV file. Practices may wish to send one off Newsletters to only one client. Pet o This column is NOT required for upload, but must be present if the practice wishes to include the Insert Value of Pet Name in the body of the Newsletter. This will include the name of the Pet(s). o Any text, characters, etc are supported in the Pet field. Practices may wish to include all pet names in one cell separated by commas, the word and or the symbol &. o Keep in mind that if Pet is included in the CSV and used as an Insert Value in the body of the Newsletter, the Pet Owner will receive as many s as rows in the CSV file. I.e. if Sally Sample has 3 pets on 3 rows in the CSV File, she will receive 3 separate Newsletters addressed to each pet. 2 P a g e

3 First o This column is NOT required for upload, but must be present if the practice wishes to include the Insert Value of First Name in the body of the Newsletter. This will include the first name of the Pet Owner. o Any text, characters, etc are supported in the First field. Practices may wish to include all owner first names for a family in one cell separated by commas, the word and or the symbol &. I.e. John and Sally to address the Newsletter to both members of the family. Last o This column is NOT required for upload, but must be present if the practice wishes to include the Insert Value of Last Name in the body of the Newsletter. This will include the last name of the Pet Owner. o Any text, characters, etc are supported in the Last field. Practices may wish to include all owner last names for a family in one cell separated by commas, the word and or the symbols & or hyphen. I.e. Smith and Jones or Smith-Jones to address the Newsletter to both members of the family. A sample CSV file is available for review by clicking the Sample CSV button. 3 P a g e

6 Sample CSV with only: 3. After creation of the CSV file, navigate to the CSV Upload tab portion of the Newsletter page in epethealth. 6 P a g e

7 4. Click Choose File to browse to the location of the saved CSV file. a. An Open window appears, allowing the user to browse to the location of the CSV file. b. Locate the CSV file and choose Open. 7 P a g e

8 c. The name of the chosen CSV file will now show in the CSV File field in epethealth. Click Upload to upload the data to epethealth. Validation messages may appear, alerting the user that there may be issues with the upload such as rows without , invalid column names, etc. Once uploaded, a message will appear indicating the success of the upload. For generating a Newsletter, only ONE CSV file can be uploaded and used. The user can upload a CSV file multiple times, in the case of the user working on the content of the CSV file. The last CSV uploaded and named in the CSV File field is the one that will be used for mailing. CSV files are not stored by Patterson after the Newsletter is sent. Newsletter Sent information is stored and viewable in the My Practice Reports. d. After uploading the file, the user can view statistics of the CSV File in how many Eligible Clients are in the file and how many clients will actually receive s by clicking Get Count. Total Eligible Client Count equals how many clients are in the CSV file with addresses. Count equals how many clients in the CSV file with address will receive the 8 P a g e

9 newsletter based on their current epethealth subscription status to Newsletters. Non-ePetHealth users listed in the CSV file will be included in the Count as they do not technically have subscriptions to epethealth. 5. Configure the Newsletter in the Configure Newsletter section and Customize HTML sections to create the Newsletter to be sent to the users contained in the CSV file. a. The Newsletter must be sent at the time of uploading the CSV file. Since CSV files are not stored by Patterson, the process must be completed at the time of creation. Additional Newsletter Updates 1. Additional Insert Values (merge words) have been added to enhance Newsletter creation. All Practice related information is pulled from the My Practice Profile page. 2. Instructions on converting Newsletter templates made in Microsoft Word to HTML have been added in the body of the instructions under Customize HTML. 9 P a g e

10 3. The Send Test Newsletter will now include any attached coupons as created and attached under Client Communications Coupon Builder. 4.
