1 1. Student Guide to Electronic Submission via Minerva Please ensure that you read these instructions before submitting your assignment electronically in the submission area below. You must submit no later than 12noon (UK time) on the submission date (unless you have an approved extension). Please ensure you allow enough time to start the submission process as there may be delays during busy periods. Your tutor may tell you which type of file they expect you to submit, however for typical essay and report type assignments we recommend submitting as PDF. Minerva guides here: Log on to the Learn section of Minerva. From the Learn homepage, select the module you would like to submit to from the modules list. Once in the module, click on the Assessments option from the menu on the left. From the list of submission areas available locate the correct one for your assignment and read the instruction text. When ready to submit click View/Complete. N.B If you have an approved extension, submit into the one labelled as such. 1
2 The TurnitinUK Assignment Inbox screen will appear. First view further assignment information by placing your mouse over the information button When you are ready to submit your assignment, select the submit icon Pay Attention while Submitting Turnitin submission is a two-step process; File selection and confirmation, then receipt. You have not finished until you see a Turnitin receipt and Paper ID on screen File Upload The submission area will open by default for file upload submissions. 1. The name fields should be automatically completed with your name. # Important # Ensure you enter the marker surname your 9 digit student in this title field. The module leader will confirm the marker in your module handbook, so please refer to that document if you are unsure. Failure to comply with this naming convention instruction will result in penalties being applied. 2. In the submission title field, you must ensure that you type the surname of the marker field by your 9 digit Student ID e.g Smith_ Failure to comply with this naming convention instruction will result in penalties being applied. 3. Ensure that you have read and understood the University of Leeds declaration of Academic Integrity as stated in the yellow information box. 2
3 4. For typical essays / report type assignments - please note that we recommend you save your final draft as a PDF file and submit that PDF file 5. You have three options for uploading files: A file on your computer or upload from your personal Dropbox or Google Drive: - Browse to your computer, locate and open the file you wish to upload - For files on your personal Dropbox, sign into your Dropbox account if asked, then select the file you wish to upload and click 'Choose' - For files on your personal google Drive, sign into your Google drive account if asked, then select the file you wish to upload and click 'Select' 6. Click Upload Wait a few moments (up to 2 mins) while the file is processed, after which a screen that looks like this should appear 3
4 7. You will be presented with a formatted version of your assignment and will be asked to confirm the submission. Check it is the correct submission. Ensure you click Confirm 8. Wait until submission is confirmed with an onscreen receipt. Write down the submission (paper) ID number (under the assignment title). When the assignment has successfully submitted, you will see the following message Please note that large files and certain file types can cause problems, and for Turnitin files should be under 20MB for successful submission. More information can be found here or see the FAQ section on how to compress files and images and details on acceptable file types. 4
5 receipt When the assignment has been successfully submitted you will also receive an confirmation receipt including the date and time of your submission and paper title. This will be sent to your University of Leeds account. Keep this somewhere safe. If you do not receive the receipt, it is essential that you check your submission was successful as described below. Please ensure that you keep copies of all electronic submission receipts, for possible future reference. Checking your submission The full assignment can be viewed online by clicking the View button. This is recommended as you can double check that you have submitted the correct assignment / version. Return to the Assessment section of the module and click on View / complete again on the relevant submission to return to the assignment window. This time click on View Note that during busy periods it can take up to an hour for your submission to be fully formatted. If you want to see your submission in its original format, click on the download icon, and select originally submitted format. 5

Accessing your Feedback and Mark (for modules that have been marked online) You will be notified by your module leader via for a module announcement once your provisional mark and feedback are available. If your module has not been marked online but using another method, you will be notified of how to access your results and feedback. Please note that when your mark is released, the mark shown is PROVISIONAL only and may go up or down. Penalties applied by Module Assessment Boards may also result in the mark being reduced. Agreed marks are those publicised on Framework notice boards. Ratified marks are those which have been considered by the School Board of Examiners at the point of progression or completion, and these will appear on transcripts and be used for classification purposes. To access your feedback, navigate to the Assessment area within the module and click on View/Complete under the submission point, like you did when you first submitted the assignment. You will be able to see the Assignment Inbox like this: Click on the blue View button to view your mark and feedback The marked assignment window will appear, and will look like something like this: 6
7 The provisional mark is shown at the top right of the window 2. Where you see an icon like this on the text, it signifies where a comment has been added by the marker if you click on the icon it will expand to show the comment Text that have been highlighted in a colour show where a marker has added a comment relating to that specific piece of text. 3. The viewing pane on the right hand side of the screen shows the unique comment added by the first marker. If you can t see this when you first open the assignment, click on the icon 7
8 4. You can view the marking grid criteria added to the assignment by the first marker by clicking on the View Rubric link at the top of the Instructor Feedback window. If you want to view the full School marking grids, these are available in the Module Handbook. 5. You can zoom in and out of the assignment text by using the zoom tool at bottom of the window 6. You can download or print the feedback via a PDF version by clicking on the icon in the middle icon panel. You can also print off the digital submission receipt from here. It may be useful to print a copy of the feedback to take along to academic supervision. The icon allows you to view additional information about your submission e.g date and date stamp, files names etc. 7. The red panel of icons relate to the similarity (plagiarism) checks. Students are unable to view this information 3. Frequently Asked Questions 1. Where can I access the Minerva from? Minerva can be accessed here 2. I can t see my module listed. What should I do? There are 2 possible reasons for this; either the module leader has not made the module available or your registration is not correct. Please contact your module leader in the first instance. 3. There is no submission area showing for my module deadline. What should I do? Contact the module leader in the first instance. 4. I don t know what my Student Id is, where can I find it? Your 9 digit student Id can be found on your Student Id card 8
9 5. I have uploaded the wrong file or I need to make changes to my assignment. What can I do? Simply follow the process again and your new file will replace the old one. You can replace a file as many times as required up until the 12noon deadline. You can check which file you uploaded by clicking View/Complete again on the submission area and then selecting the file you uploaded (displayed to the right of the Submit button). Once the deadline has passed, you will not be able to replace the originally submitted file. 6. Does the Turnitin accept all file types? There is a full list of supported and unsupported files available here: Your tutor may tell you which type of file they expect you to submit, however for typical essay and report type assignments we recommend submitting as a PDF. (You can save a document as a PDF from the Save As file options. Normally, Turnitin will also accept the following file types: MS Word (.doc/.docx) Excel WordPerfect (.wpd) PostScript (.ps/.eps) HTML RTF (.rtf) OpenOffice (.odt)* plain text (.txt) PDF (see our blog post for guidelines on PDF generation as not all are accepted by Turnitin) Hangul (HWP) PowerPoint & Google Drive's docs format are accepted and converted to PDF on submission. * Open Office Text: Turnitin will not accept.odt files created and downloaded from Google Docs online, or ".doc" files created using OpenOffice. A workaround to the issues above is to save the file as a text based PDF. 7. I am having problems submitting due to file size limit The file size limit is 40MB (or no greater than 400 pages). To reduce the file size, you can convert your assignment to PDF. To do this, open your file in its original format, click Save As and select PDF from the 'Save as type' option: 9

How to I package/combine PDF files If you have some scanned files that you need to combine with your Essay to create one document, you can do this using PDF Converter Enterprise which is available on the IT Cluster PC s and via Desktop Anywhere. Please follow these instructions for combing files using PDF Converter Enterprise here: (page 17) 9. I have dyslexia and I am eligible for Mark for Content Stickers, how do I record this? You need to contact Jo Lay, Disability Contact in the School of Healthcare (j.lay@leeds.ac.uk) who will be able to provide you with an e-sticker for you to insert on the coversheet of your assignment. 10. We have been told that marks are available but there is nothing in the mark field on my assignment. What should I do? This could be for a number of reasons, please contact the relevant module leader in the first instance. 11. Turnitin or Minerva is unavailable due to technical issues and my assignment is due, what do I do? The school has an agreed contingency plan (including a full communication plan) which covers what will happen if a technical issue is affecting either Turnitin or Minerva on days when assignment submissions are due. If Turnitin is still unavailable at 10am on a deadline day, then students may be given an additional 24 hours to submit.
