2 How to Access Your There are two ways to access your via the web. 1. Open your browser and go to Click on Staff, then on Exchange. 2. Open your browser and go to mail.hpschools.org The OWA Window When you first open OWA, your screen will contain these sections: Folders The Reading Pane When you first log in, the default view is set to the Mail component of the OWA. This component features a message list and has a Reading Pane which allows you to view your messages without opening a separate window. You can change the location of the reading pane, or turn it off completely, by clicking View, and in the dropdown menu, choose Right, Bottom or Off. If you select Off as an option, you will have to double-click on a message to view it. The message will appear in a new window. Understanding Conversation View By default, conversation are grouped together in a view called Conversation View. Conversation view will group all conversations together that share the same subject regardless of time and date sent. Conversation View can help reduce clutter in your inbox. But, it can also group messages that are not related simply because they share the same subject line. To turn off Conversation View, click on View, and make sure Use Conversations is not checked. The message list in the View Pane will become a single chronological view. 2

3 Creating a new message To create a new message, click on the word New. A dialog box will appear. If you are ing a recipient in the HP system, begin tying the first or last name in the To field, then click on the Check Names button. You will see a list of names appear. If your desired recipient does not appear, click on the Check Names button to see a list of all the names in our address book that fit your criteria. If you need to search the HP address book, click on To. The Global (HP) Address book will appear. Select the desired recipient s name and then click on the To button in the bottom left corner. (Or, the CC or BC buttons). When you have chosen all your recipients, click OK. Your message toolbar icons: Attach a file Insert a photo Check names Set priority level to low Insert signature Search the address book Set priority level to high Compose your message and click the Send button. 3

4 Adding an Attachment To add an attachment, select the paperclip at the top of the OWA windows. In the dialog box that appears, select Browse to find the file you d like to attach. Once you have found the file, select Attach. Repeat this process to attach more than one file. When finished, select Close. You can then send your message. Deleting a Message To delete a message from your inbox, select it by clicking on it once, then click on the Delete key on your keyboard or on the word Delete at the top of your OWA windows. Note: When you delete a message it is moved to your deleted items folder. It is good practice to periodically delete messages from that folder to free up space. Creating a New Contact The Contacts section is your personal address book. Select the Contacts icon either in your folder list of your shortcuts to access it. Your Contacts windows will appear with a list of your personal contacts. To create a new contact, click the downward arrow located next to the word New. A drop down list with various options will appear. Select Contact. The New Contact dialog box will open. Enter the desired information. When finished, select the Save and Close button. Creating a Personal Distribution List There are distribution lists already created in the HP global address book. To create your own lists, select that same down arrow that you selected in the above step (next to the word new), but this time select Group. An untitled group will appear. Add addresses either by typing them into the Add to Group field or use the Find names button to locate them in the address book. Make sure to type in the name of the group under List name. You can name the group whatever you choose. Select Save and close. This group is now part of your personal contacts list. 4

5 Options Via the Options section, you have the ability to personalize your OWA. To access these options, click on the Options icon in the top right corner of the OWA window. (Be sure to select Save and close when you are finished with any changes in this section. ) Set Automatic Replies If you will be out of the office for an extended period of time an Automatic Reply (Out of Office) can be created to be sent automatically to recipients who you during this time. To create an Automatic Reply: 1. Click Set Automatic Replies from the Options dropdown menu. 2. The OWA Options screen will appear. Select the radio button option for Send automatic replies. The remainder of the screen that is currently grayed out will now be visible. 3. If you need a specific start and end date and time, check the Send replies only during this time period checkbox then choose a Start Time and End Time using the drop down boxes provided. 4. Type the Automatic Reply (Out of Office) message you want recipients to receive. 5. When finished with the Automatic Reply, click Save. Create an Inbox Rule A rule is an action that happens automatically when messages are received or sent. You may create a rule that places messages from a specified person into a specified folder. You may also create rules that place messages with a certain subject or text string in a specified folder. There is an array of different rules you may create. 1. Select Create an Inbox Rule from the Options dropdown menu. 2. The OWA Options screen will appear. 3. Select New under the Inbox Rules section to create a new Inbox rule. 4. A pop up window will appear. Choose the rule parameters you desire from the drop down list. 5. Depending on the rule you choose to set up, different screens with rule options will appear. 6. When complete, click Save to create your Rule. A confirmation dialog box will appear. 7. Click Yes to apply the rule. 5

6 Creating a Signature 1. From the OWA Options window, choose See All Options, then Settings from the left navigation pane. 2. Locate the Signature panel. 3. Set the font style and options from the font menu bar. 4. Type the desired text in the message box. 5. You can choose to automatically include this signature on every sent. Otherwise, you can click insert signature when sending an . Setting Default Formatting of Outgoing Mail You can set the default font, size, etc. for your outgoing messages. 1. From the OWA Options window, choose Settings from the left navigation pane. 2. Scroll down to the Message Format heading. 3. Change the desired font size, style and type. Select a Theme You can change the colors/pattern of the header in your OWA window.by following these steps. 1. Click the dropdown arrow next to the Options command on the OWA window. 2. Place your mouse cursor on one of the themes located under the Select a Theme group. 3. Click on one of the themes to apply it. The theme will be applied to the top banner on the OWA. 6

7 Change your password To change your password, click on Options, then on Change your password. Enter the appropriate information in the dialog box that opens. Click Save. Flags and Categories OWA allows you to set a Flag and/or a Category for each message. Flags can help you keep track of items that need to be followed up on by providing a visual indication, and, if specified, a pop-up reminder. A flag has a Start Date, Due Date, and may have a Reminder Date. Categories are colored markers which can be applied to messages, contacts, calendar items, etc. This allows you to easily differentiate between items which fall into separate groups or departments. It is particularly useful for adding a visual indicator for particular types of item in your calendar so that they stand out, such as important appointments. Items may have more than one category assigned. There are six built-in categories named after their associated colors, and you can add more categories of your choice. For more advanced options, right-click on the flag symbol and choose [Set Date and Reminder...] 7
