3 TUMonline supports you in organizing your studies at TU München. This brochure aims to get you off to a smooth start with TUMonline. You already got to know our Campus Management System when you applied online. The pages that follow now provide you with more detailed information and guidance on the main functions of TUMonline required for your studies. What do you need? a computer with an internet connection a web browser (we recommend Mozilla Firefox 3.0 or higher) What does TUMonline offer you? You can: download course documents obtain an overview of your schedule and timetable register for and withdraw from classes and examinations obtain an overview of your grades to date and download grade reports get automatic notification in the event of room or schedule changes search for people, facilities and rooms at TU München and much more besides... Where can I get help in case of questions or problems? 4 Structure TUMonline provides information for both anonymous users and those who are logged in. The screenshot below shows the view of TUMonline for users who are not logged in. When you log in TUMonline provides you much in terms of information and applications (see p. 6). 5 User account Login Log in by clicking on the small yellow key at the top right, then enter your user name and self-defined password. Applicants: As an applicant who does not yet hold an account at TUM you initially work with an applicant account using a self-defined user name (your private address) and a self-defined password. This allows you to take the first steps to submitting your application to study at TUM. When you accept your place at the university, your applicant account is automatically replaced by a TUM user account which you can continue to use as an applicant with the same user name and password. This user account is now equivalent to a student account, though your status is not that of a student until you actually enroll. Students: As a student you can use your TUM-Kennung (combination of letters and numbers, e.g. gu45qac) or one of your TUM addresses as a user name to log into the TUMonline system (see p. 7 below for information on TUM addresses). Instructions: studierende/anleitungen_studierende Please note: For some other IT systems at TUM you can only use some of the above user names. For example the Exchange System Webmailer ( de) only accepts the TUM identifier in conjunction with the domain name (e.g. ads\gu45qac). 6 Change user name or password You can change your TUM address, which can be used as a user name, in the application Addresses in your TUMonline calling card (cf. p. 7). You have to change your password at least once a year otherwise your account will be blocked. You will automatically be notified a few days before the expiry date. To change your password, use the application Change Password in your TUMonline calling card. User name or password forgotten If you forget your password or user name, send an and a scanned copy of your ID card to IT Support (it-support@tum.de). You will receive a PIN code by . This will permit you to log in once and reset your password. To use the PIN code, click on the small yellow key on the TUMonline homepage and then click on the link Enter your PIN code here under Students. 7 Personal calling card Contact information The following contact details are shown in your personal calling card: name and address. The link Edit enables you to add a homepage and upload a photograph. Your master data is only visible to you. Access to applications In the lower section of your calling card you will find all the main applications you need to manage your studies. 8 TUM address Important All communication with TU München is handled through the TUM mail system so it is extremely important that you ensure you can be reached by (e.g. to receive information on re-registering, examination entries, ). Configuration Set up your TUM address (e.g. using the menu item Addresses in your personal calling card. Even if you have not yet set up your own address, you automatically hold two TUM addresses in the formats (e.g. and (e.g. This ensures that s always reach your TUM mailbox. Note: You can always find out your TUM-Kennung in the Addresses application. Mailbox and forwarding You can select your mailbox under Send to. As Mail-System Exchange is recommended. You can check your Exchang box at The user name for the Webmailer is ads\tum identifier, e.g. ads\gu45qac). The password is the one you selected for TUMonline (for more details on Exchange see: exchange-generell) You can check your MyTUM-Mailbox at log in by selecting the item Mailbox in the bar at the top. If you wish to have mails redirected to another address, select the item Addresses in your TUMonline calling card. Here you can configure the redirection. 9 Course documents Download Applicants: Your course documents for the first semester will be available for download from the end of July (or from the end of January for the summer semester) as long as you have submitted all application documents and have fully paid your tuition fees. Students: Your course documents for the next semester will be available for download from the end of July (or from the end of January for the summer semester) as long as you have fully paid your tuition fees for the following semester and have thus completed registration. You will find your documents under Print Documents in your TUMonline calling card. Documents Course documents comprise: an enrollment certificate an exmatriculation certificate where relevant written confirmation for MVV (local public transportation) and Deutsche Bahn a study progress certificate a pension certificate a polling card (for university elections) where applicable Instructions: studierende/anleitungen_studierende 8 We help you if you have problems or questions: it-support@tum.de
10 Tuition fee account You will find information on your tuition fees under Tuition Fees in your TUMonline calling card. Here you will find an overview of amounts paid and outstanding. 11 Study schedule Study schedule (Curricula Support) You can obtain an overview of your study schedule under Registration Status in your TUMonline calling card. Click on your study schedule in the next window. Under Curricula Support you will see your course tree with all modules, courses ( LVs = Lehrveranstaltungen ) and examinations. Please note: Your study schedule may not yet appear in TUMonline since some courses have not yet been fully modeled. If this is the case, please refer to your faculty website for details. Module Examination Register for exams by clicking on the green P Course ( Lehrveranstaltung / LV ) Semester schedule and timetable The link Semester Schedule allows you to generate a general schedule with all courses recommended for a particular semester. The calendar symbol generates a schedule view of all courses ( LVs ) for the selected recommended semester. The clock symbol initially provides you with a list of all LVs of the selected recommended semester so that you can reduce this selection and choose between schedule view, pdf appointment list and CSV export as your output format. Instructions: studierende/anleitungen_studierende Please note: This schedule shows all group courses. If you wish to create your own personal schedule showing only your group courses, you must register for these courses first. These courses then appear automatically in your personal schedule. 12 Courses Program of courses You have several ways of displaying courses ( LVs ). 13 Registration for courses Please note: Course registration is not a universally activated feature. The decision as to whether or not it is possible to register online for a course lies with the lecturer or faculty concerned. What is more, registration is not a general requirement, but the decision as to wether or not registration is required lies with the lecturer or faculty concerned. Registration does involve certain advantages (e.g. securing a place if numbers are limited, display of dates in the calendar). Search for the course in question using one of the methods described (cf. p. 11, in the example below under free search). If registration is activated, it can be carried out under the letter T in the display: You can also search and register for a course under Registration Status (cf. p. 10) Instructions: Notes: green T : registration is possible yellow T : registration is not yet possible red T : registration is no longer possible grey T : registration is not activated For full details of a course, click on the title in the course display. 14 Documentation and further information on courses For full details of a course, click on the title of the course in the course display. A detailed view opens showing information such as hours per week in a semester, lecturer, content, dates, registration, examination and documents: You can obtain information on the course as a whole under Online information. For information regarding specific dates go to Scheduled dates and click on the green I (a grey I means that no documents have been uploaded). 15 Examinations Registration for examinations Please note: Registration for a course is not equivalent to registering for the examination for that course. You always have to register for examinations separately. To register for an examination go to Registration Status in your TUMonline calling card. Select the examination in the course tree and click on the letter P in the display. Note: green P : registration is possible yellow P : registration is not yet possible red P : registration is no longer possible grey P : registration is not activated You can also register for an examination under Exam registration in your calling card. Here, the examinations are displayed for which you have already registered. Use the link Register to sign up for other examinations: here you can search all examinations. Please note: If you register freely for any examination, it may not be credited to you if it does not form part of your degree course. For details please consult your Faculty Office. 16 Examination results You will find your grades under Exam Results in your TUMonline calling card after activation by the lecturer. Examination grades are initially marked as provisional and are not set as valid until they have been checked. Grade reports and exam certificates Grade reports and exam certificates can be downloaded under Transcripts in your TUMonline calling card. Transcript and certificate: The account statement provides an overview of all your examination grades. The grade report provides an overview of all grades achieved in the examinations you have passed. Exam certificate: The exam certificate is the official notification of your grades. You receive one for each semester and you are required to download it. You are informed by as soon as the certificate is available for download. In order to display the certificate you are looking for, you may have to change the semester in the display first. Change semester We help you if you have problems or questions: 15
17 Personal schedule Your personal schedule automatically shows the courses and examinations for which you have registered. You will find the calendar in your personal calling card under Calendar. You can also create your own appointments under New date. Under Settings you can make precise settings as to how the various elements are displayed in your calendar (e.g. time interval, length of course title, type of subject, type of date, colors,...) You can also subscribe your TUMonline calendar to an external calendar (e.g. Outlook, Thunderbird, ) as an ical calendar. Under Publish you can generate the address for the ical calendar and enter it in the external calendar. 16 We help you if you have problems or questions: it-support@tum.de
18 People, facilities and rooms People There are various ways of running a search for people. You can search for people (staff, students) at TU München by using the search function at the top right. You can also go onto the calling card of a facility and have the list of staff displayed under Persons. You will also find the special responsibilities of individuals within a particular facility under People & Responsibilities. 19 Rooms The search function at the top right allows you to search for rooms throughout TU München and have details of the room code, address, location and owner displayed. The item Rooms Search in the applications menu allows you to look for vacant teaching rooms for a particular appointment or series of appointments.
