8 Preface icapture - Thin Client User s Guide User Qualifications You should be familiar with Personal Computers (PCs). You should also have a general understanding of Windows and know how to perform basic functions such as using a mouse, closing windows, clicking on icons, etc. Terminology Throughout this guide, the terms system and application refer to the icapture system. Throughout this guide, the term scanner refers to any check image scanner that is compatible with the icapture system. Throughout this guide, the term click refers to the act of pressing and then immediately releasing your mouse button without moving the mouse. For example: To clear a message, click on the OK button. Throughout this guide, the term select refers to the act of choosing an option, either by highlighting the selection and pressing E, or by clicking on the selection with your mouse. For example: To scan items, select Scan from the File pull-down menu. ii

For example, Operator Name is a variable that could appear in message text. This guide also uses italics to emphasize new terms as they are introduced. All keyboard keys are represented by pictures of the keys. For example, the Enter key is shown as E. A plus sign (+) between two key names means that you should press those keys at the same time. For example, C+p means to hold down the C key while you press the p key. Whenever you see this symbol, pay careful attention to the statement or segment of documentation that follows. iii

The following paragraphs describe each of these sections. SECTION 1: INTRODUCTION introduces icapture by providing a synopsis of the overall system and by describing the various features that enable you to process your deposits. SECTION 2 is reserved for future use. SECTION 3: INSTALLATION lists the hardware and software required to use the icapture Thin Client system and itemizes the steps required to install the icapture Thin Client software and the physical check scanner. SECTION 4: USING THE WINDOWS describes the various window components, explains the three methods of selecting a command, and identifies the navigation icons. SECTION 5: OPERATIONS explains how to prepare, scan, key, balance, and transmit a deposit. It also describes how to delete deposits, save and re-open pending deposits, restore and re-transmit previous deposits, research processed items, and perform offline endorsement. iv

11 Introduction icapture Thin Client User s Guide Section 1: Introduction icapture allows you to capture the images of deposits at your desk, regardless of location, and transmit them electronically over a secure line for immediate deposit into your account. This eliminates the physical transporting of checks, thus dramatically reducing the time between deposits and availability of funds. For additional security, the Thin Client application uses multifactor authentication. With icapture, you can now use a check scanner in your office to create a digitized image file of your deposit. The small scanner plugs into your PC with a secured internet connection. You transmit the digital file directly to your check center for same-day credit to your account. It couldn t be easier. No more mailing checks, courier services, or leaving your office to make deposits. Here s how it works: You use a small check scanner attached (USB) to your Windows-based PC to create a digitized image file of your deposit. The system connects to the bank s existing firewall and transmits deposits to your account via this secure Internet connection, allowing same-day credit to your account. After validating the deposit for quality and security purposes, the system automatically s a notification to you confirming receipt of the deposit. Within minutes your deposit can safely be on its way to the bank for processing. 1-1

13 Introduction icapture Thin Client User s Guide Workflow Descriptions Typical icapture workflow consists of the following functions: Document Preparation icapture allows you to capture deposit images from the convenience of your office, regardless of location. Each deposit can contain up to 250 items, and multiple deposits can be transmitted in one day. There is no need to let checks accumulate or wait to make a deposit. Scanning the Deposit for Capture The scanning process in icapture allows you to capture front and back images of each item as well as read and record the MICR codeline. This is an automated process and requires little intervention. Once the items are scanned, you can quickly and easily balance your transaction and transmit it electronically. Recognition Interface (Reco) Once item scanning is complete, icapture can use Recognition Interface (Reco) to interpret the amount on each check. Reco uses courtesy amount recognition (CAR) and legal amount recognition (LAR) technology to accurately read the courtesy and legal amount areas of most checks. Any items not recognized by Reco are presented to you for amount keying. Keying Following Image Capture and Recognition, icapture presents any items that require amount keying. The processing window displays the front and back of the item image, along with MICR codeline information. Balancing Prior to transmission, a balance screen displays the total check amount, total deposit amount, and any discrepancy. Once your deposit is in balance, you can send it electronically to your bank. 1-3

14 Introduction icapture - Thin Client User s Guide Deposit Transmission Once a deposit is successfully scanned and balanced, you can transmit it to your bank. Client Audit Trails For audit purposes, icapture provides extensive archive, reporting, and output file capabilities. Archive All transmitted deposits are automatically archived for a user-specified time, and then automatically purged at the end of the retention period. icapture includes a research feature that aids you in retrieving deposit items in the archive. 1-4

This report contains a log of what was sent in each transmission. 16 Introduction icapture - Thin Client User s Guide We encrypt your deposit information in the . In this case, your contains a PDF file attachment, and you must enter a password to open the file. Customer Output File You can optionally generate an output data file containing deposit details for a user-specified date range. The output file can be a Standard Fixed record length file, or a Comma Delimited file, or a Custom output file using a comma, tab, semi-colon, space or XML as the delimiter. The output file can also be in a format that supports QuickBooks. First Touch icapture allows you to create an output file containing deposit details for any previously transmitted deposit. The reference field has a maximum length of 15 characters. Custom Output File: You have the option to create the custom output file using a comma, tab, semi-colon, space or XML delimiter. For additional information, refer to Section 6: Defining the Custom Output File. Deposit Validation We constantly monitors incoming deposit files. When a file transmission is received, the bank validates the deposit as follows: For security purposes, verifies the depositor s account number Checks for duplicate items Checks for duplicate transmissions Image quality assurance (IQA) may be performed Automatic Notification After a file transmission is received, we automatically s you to confirm that the file has either been validated and processed, or is pending review. A second notice will confirm the status of any file pending review. If a file is rejected, you can restore the file for correction and then re-transmit. 1-7

18 Introduction icapture - Thin Client User s Guide End of Day Reporting At the end of each day, your bank automatically s a Deposit Summary which details all deposits transmitted that day. For clients with multiple locations, this summarizes all activity for all locations. For security reasons, each location of a multi-site client receives a unique client ID, even if all locations are posting to the same account number. 19 icapture - Thin Client User s Guide Installation Section 2: Installation The icapture Thin Client solution allows for installation completely over the Internet to simplify software distribution and maintenance for clients. Hardware and Software Requirements Following is a list of all hardware, software, and settings required for proper installation and performance of the First Touch icapture Thin Client system: Client PC running Windows XP Professional, Windows Vista Business or Windows 7 Professional, 32-bit or 64-bit Windows Home edition is not supported 1.4 GHz Pentium 3 2 GB of Memory or greater 10 GB or higher IDE Hard Drive Check Image Scanner 1 USB Port (Version 2.0 for optimum scanner performance) Transport Control Software (Ranger.ocx is licensed with supported Scanner) Sun Microsystems, Inc. Java Up to Java 6 update 23 Internet Explorer 8 or greater (Internet Explorer 9 is not supported by Windows XP) Microsoft Internet Explorer is required because it supports Microsoft Windows ActiveX framework. The Ranger Control requires ActiveX. Printer (Optional) Display supporting 1024x768 resolution Keyboard and mouse

20 Installation icapture - Thin Client User s Guide Software Installation It is important to install the icapture software before connecting the scanner to your PC. icapture is easily and quickly installed. The entire process should only take a few minutes. Please note that depending on how your bank packages the installation, your precise installation steps or windows may differ slightly from the examples shown below. The software install requires you to have Administrator rights. In addition, you must have full control to the C:\iCapThin directory for the application to function properly. Any special restrictive policies could inhibit application functionality. 1. If you are installing the software on a PC that has the Vista Business Operating System, you must perform the following steps prior to installation: On your PC, go to your Control Panel and select User Accounts. The following window appears: Click in the checkbox next to "Use User Account Control (UAC) to help protect your computer" to uncheck it: Click on OK. -2-2

If you are installing the software on a PC that has the Windows 7 Professional Operating System, you must perform the following steps prior to installation: On your PC, go to your Control Panel and select User Accounts. The following window appears: Click on "Change User Account Control settings". The following window appears: Move the slider bar down to "Never notify". Click on OK

22 Installation icapture - Thin Client User s Guide Restart your computer. 4. Type the URL provided by your bank in your browser s Address field. For example: A Launch window appears. 5. If you have Java installed, skip this step and move to step 4. If you do not have Java, you will be prompted to install it: Java prompt Click on the indicated link to start installing Java: -2-4

23 icapture - Thin Client User s Guide Installation The Java installation prompt appears: Click on Run and then follow the prompts, choosing the Typical installation. If prompted, restart your PC and then direct your browser to the same URL from step 4 above. The Launch window appears: Thin Client scanner prerequisites

27 icapture - Thin Client User s Guide Installation 12. Specify the directory where the Ranger software will be installed. The default directory is C:\Program Files\Silver Bullet Technology\Ranger. This is the recommended directory. Unless your administrator has a specific reason for installing the software in another directory, you should leave the default selected. Click on the Install button to continue the installation. The following window appears: 13. Press E or click on the Finish button to complete the Ranger installation process. The following window appears: The scanner prerequisites are now successfully installed. Press E or click on OK

See Hardware Installation later in this section. 15. Launch the First Touch icapture Thin Client application. The following windows appear: You are now ready to enter the User Code and Password provided by your bank for initial login purposes

29 icapture - Thin Client User s Guide Installation Hardware Installation The final step of the installation process is installing your scanner. Windows XP, Vista Business and Windows 7 Professional detect the presence of new hardware and can be configured and loaded dynamically, requiring little or no user input. Your capture device is capable of Plug and Play installation using the Universal Serial Bus (USB) cable provided with your scanner. Before connecting the scanner to your PC, you should have already installed the scanner drivers. 1. Place the scanner near your PC on a flat surface. 2. Plug the scanner s power cord into the power supply box. 3. Plug the power supply cable into the back of the scanner. 4. Plug the power cord into a dedicated electrical power outlet. 5. Connect the USB 2 cable to the USB 2.0 port located on the back of your scanner. Connect the other end of the USB cable to an available USB port on your PC. The USB cable should look similar to the one in the following image: The application automatically loads the necessary drivers for the scanner and displays the following pop-up messages:

31 icapture - Thin Client User s Guide Using the Windows Section 3: Using the Windows As you access the numerous features of icapture, the content of the windows varies according to the function you are executing. However, the basic format of the windows is the same. To help you use these windows, this section: Describes the window format Explains pull-down menus Defines navigation icons -3-1

33 icapture - Thin Client User s Guide Using the Windows Title Bar The title bar displays the name of the window you are currently viewing or the function you are currently executing. Action Bar The action bar displays the pull-down menus that are available to you on the current window. Navigation Icons Navigation icons offer instant access to the most commonly used functions. Minimize Button The minimize button allows you to reduce the contents of the current window or program without closing it. This allows you to let the window or program remain active, yet not cover the entire screen. Restore Button The restore button restores a window to its previous size and location. Close Button The close button closes the active window or program. You are prompted to verify that you wish to exit the program. Status Bar The left side of the status bar displays informational messages during system functions. The right side of the status bar displays the name of the operator currently logged in. -3-3

34 Using the Windows icapture - Thin Client User s Guide Using the Pull-Down Menus Certain commands are grouped together in pull-down menus. Each pull-down menu and most commands have an underlined letter that can be used to select the menu or command. In addition, some commands have associated hot keys that can be used to invoke the commands. Following is an example of a pull-down menu: You can execute a command in one of three ways: Press a hot key, if applicable Select the pull-down menu and then the command by using keyboard keys Select the pull-down menu and then the command by using your mouse For example, to execute the File New command, you can do any of the following: Press the hot key, F + n Press A+ f to select the File pull-down menu and then press n to select New Click on File and then click New -3-4

35 icapture - Thin Client User s Guide Using the Windows Using Navigation Icons The icapture window includes navigation icons for easier and faster operation. The following table explains each of these icons. Many of these options are available in the Action bar pull-down menus as well. Icon Description Scan Items - Start the scanning process. Replace this Item - Delete and rescan an item. Print this Item - Print a particular item from a deposit. Search History - Search for previously deposited items. You can search by date sent, amount, check number, account number, routing number, and reference number. Transmit Items - Begin the deposit transmission process. Resend, Restore, or Review Previous Deposits - Restore previously transmitted deposits and resend them if needed. Save Deposit for Review - Save your current deposit without transmitting. Once it is saved, you can begin working on another deposit. Open a Saved Deposit - Open a previously saved deposit. Move to Previous Image - Display the previous image in the current deposit. -3-5

38 Operations icapture - Thin Client User s Guide Logging In to icapture To log in to icapture: 1. In your browser s Address field, type the URL provided by your bank. Depending on how your bank has designed its web page, a Launch window similar to the following appears: Launch link 2. Type the appropriate User Name and Password to log in to your server. Then press E or click on OK. The icapture Login window appears: 3. Type the User Code and Password provided by your bank for initial login. Passwords are case-sensitive and must be at least 6 alphanumeric digits. 4-2

Many of these options are available in the Action bar pull-down menus as well: Icon Description Scan Items - Start the scanning process. Replace this Item - Delete and rescan an item. Select Password from the Tools pull-down menu: The Set Password window appears: 2. Type your new password in the New Password and Confirm New Password fields. Passwords are case-sensitive and must be at least 6 alphanumeric digits. 3. Click on OK. The following confirmation message appears: 4. Press E or click on OK to clear the message. 4-6

43 icapture - Thin Client User s Guide Operations Logging In as a Different User At any time, you can log in to icapture as a different user, without having the current user log out. 1. Select Login as Different User from the File pull-down menu: The icapture login window appears: 2. Type your User Code and Password. Passwords are case-sensitive and must be at least 6 alphanumeric digits. 3. Press E or click on OK. The system logs out any user who was previously logged in to this workstation and the icapture Thin Client window now reflects you as the logged in user. 4-7

44 Operations icapture - Thin Client User s Guide Resetting Your Password In certain situations, your user account may have to be reset to allow you to log into icapture with a temporary password. If your user account has been reset: 1. On the icapture Login window, type your user code and the following temporary password: TempPassword Passwords are case-sensitive. 2. Press E or click on OK. The following message appears: 3. Press E or click on OK. The Set Password window appears: 4. Type your new password in the New Password and Confirm New Password fields. Passwords are case-sensitive and must be at least 6 alphanumeric digits. 5. Click on OK. The following confirmation message appears: 6. Press E or click on OK to clear the message. 4-8

45 icapture - Thin Client User s Guide Operations Preparing a Deposit icapture allows you to capture deposit images from the convenience of your office, regardless of location. Each deposit can contain up to 250 items, and multiple deposits can be transmitted each day. For each deposit: 1. Inspect the documents for anything that might cause an item to jam in the scanner like staples, folds, etc. 2. Endorse all checks. 3. The system will automatically create a deposit ticket for your deposit. A pop-up box appears at the beginning of the scanning process, and the operator chooses the account where the scanned items should be deposited. The application then creates an electronic deposit slip for the archive. If you are using location codes, be sure to select the correct Location Code from the drop down listing 4-9

46 Operations icapture - Thin Client User s Guide Scanning a Deposit for Capture 1. Sign on to icapture using your user code and password. 2. Place deposit items in the document pocket of the scanner. Items should face forward, toward the logo side of the scanner (see illustration below). Even though you can scan up to 250 items in one deposit, the scanner may not hold all of the items at one time. If you are scanning a large deposit, you can place a portion of the items in the scanner and continue to add to it throughout the capture process. You are now ready to scan your deposit items. 3. Click on the scan icon: or press %, or select Scan from the File pull-down menu: 4-10

If you are not using a physical deposit slip and have specified this in your Options, the following window appears for you to select the appropriate deposit account: 5. Prior to scanning the first document, the following window appears: Enter the total amount of the deposit you are scanning and then click on OK. The items then begin scanning. 4-11

48 Operations icapture - Thin Client User s Guide During the scanning process, icapture displays the front and back images of each item as they are being scanned so you can validate the image quality: 6. Once all items have completed the scanning process, click on the following: If you are using the Recognition (Reco) utility, Reco begins interpreting the courtesy and legal amount areas on each check and inserts the amount field on all successfully interpreted items. If you are not using Reco, the items appear immediately for keying. 4-12

49 icapture - Thin Client User s Guide Operations Optional Character Recognition Recognition (Reco) is an optional add-on component that works in conjunction with icapture. It significantly reduces the amount of human intervention required to key item amounts. Reco uses courtesy amount recognition (CAR) and legal amount recognition (LAR) technology to interpret the amount on each check. Reco can accurately read the courtesy and legal amount areas of most checks. As soon as you click on the scanning complete button, Reco automatically begins processing each item and displays the following message: You can also run Reco for a particular deposit by selecting Tools, Run Reco on Deposit: When Reco begins processing, it searches for items with invalid amount fields. When an invalid amount field is encountered, Reco scans the item s image and interprets the courtesy and legal amounts. If the amount is recognized, Reco inserts that amount into the Amount field in the Document Information list. Your bank specifies the number of consecutive items that can fail Reco before Reco is terminated. Once the fail limit has been reached, the following message appears: The RECO server at the bank may be down, please call Cash management Services at to report the problem. 4-13

The Document Information List displays the information that was captured for each item during the scanning process, along with any amounts that were read by Reco. 4-14

51 icapture - Thin Client User s Guide Operations Viewing Images The Image Display area of the icapture Thin Client window always displays the images of the item that is currently selected in the Document Information list: By default, the front image displays much larger than the rear image. However, you can adjust the image sizes at any time by doing the following: 1. Move your mouse pointer over the margin between the images until it becomes a doublearrow: 2. Click and hold the left mouse button and drag the mouse left or right to move the margin. 4-15

Click on the Rotate Image navigation icon: or press C+r, or select Rotate Image from the Tools pull-down menu: The current image is rotated 180 degrees: 2. 54 Operations icapture - Thin Client User s Guide Viewing the Document Information List The Document Information list displays codeline fields, keyed reference information, and the current status of each item in the deposit: The information appears according to the view options you have chosen. For information on changing the view options, see Changing the View Options later in this section. The following table identifies each of the columns that can appear in the Document Information list and describes the data provided. Field Item # Routing # Account # Amount Type Description Document Information List For physical deposit slips and checks, the serial number or trancode of the item For electronic deposit slips, the Location Code (if any) of the selected deposit account The routing/transit number of the item The account number of the item The amount of the item The type of document: Deposit Slip Check Re-deposited IRD When a check is submitted for electronic deposit, an Image Replacement Document (IRD) becomes the legal equivalent of the original item. If the IRD is returned to the customer due to insufficient funds, the customer must re-deposit the returned IRD at a branch.. You are not allowed to redeposit IRD via icapture. If scanned, it should be identified as a redeposited IRD and should be deleted. The ORIGINAL CHECK should NEVER re-presented to ANY BANK! 4-18

56 Operations icapture - Thin Client User s Guide Changing the View Options This feature allows you to select the fields that you want to display in the Document Information List, as well as the order of the fields. The view has been configured to match the information on the check. You may change the view and add or delete fields other than Item, Routing #, Account Number, Amount, Type and Status. 1. From the Tools pull-down menu, select the Select Fields option: The Select Fields window appears: Fields you do not want to appear in the Document Information List Fields you do want to appear in the Document Information The Selected Fields list displays the fields that you want to appear in the Document Information List, and displays the fields in the order that they will appear. The Available Fields list displays the fields that you do not want to include in the Document Information List. 2. To add a field, highlight the field in the Available Fields list and then click on the Add button to move the field to the Selected Fields list. To remove a field, highlight the field in the Selected Fields list and then click on the Remove button to move the field to the Available Fields list. 4-20

To change the order in which the fields appear from left to right in the Document Information List, highlight a field in the Selected Fields list and use the Move Up or Move Down buttons. 4. Make the desired changes and then press E or click on OK. icapture saves your changes and returns you to the icapture Thin Client window, which now displays your updated view. Adjusting Column Widths To adjust the width of any column in the Document Information List: 1. Move the mouse pointer over the column margin until it becomes a double-arrow: 2. Click and hold the left mouse button and drag the mouse left or right to move the margin. Organizing Columns To re-organize the columns in the Document Information List: 1. Click and hold the left mouse button over the column heading you want to move. 2. While holding down the left mouse button, drag the column left or right to the location where you want to move the column. 3. Release the mouse button. The column then moves to the new location. 4-21

Press C+f, or select Find from the Edit pull-down menu: The Find window appears: 2. Click in the field you want to edit. The image of the selected item appears: You can use the Rotate button for alternate views of the image. 2. Make the desired changes to the field. 60 Operations icapture - Thin Client User s Guide Entering Reference Information The Select Fields window provides up to 9 Reference fields that you can display on the Document Information List. You can specify up to 15 characters of additional reference information about any item displayed. The information you type in the Ref1 field will print on both the Deposit Detail Report and the front of the Image Replacement Document (IRD), and will also be included in the Output File. You can use the Ref2 through Ref9 fields to include additional reference information in the Output File. To enter a reference: 1. Click in the Ref field of the item you want to edit. 2. Type the desired text: 3. Press E to save your changes. The information you keyed appears in the Ref column: 4-24

61 icapture - Thin Client User s Guide Operations Entering Amounts To enter an amount: 1. Click in the Amount field of the item you want to edit. The image of the selected item appears: 2. Type the desired amount: You can enter the amount with or without a decimal. If this is a deposit slip, you need to enter the total amount of the deposit. 3. Press E to save your changes. The keyed amount appears in the Amount column. 4-25

This may be useful if you are re-depositing a returned check and the item was not recognized as a re-deposited IRD during scanning. 1. Double-click in the Type field of the item you want to change. A drop-down arrow appears in the field: 2. Click on the drop-down arrow. A drop-down list appears: 3. Select the desired document type. 4-26

63 icapture - Thin Client User s Guide Operations Rescanning an Item icapture automatically flags any items that misread or failed image quality assurance (IQA) during scanning. You automatically have the option of rescanning these items. However, you can manually rescan any item displayed in the Document Information List, even if the item is not flagged as invalid. To rescan an item: 1. Click on the item to select it in the Document Information List. 2. Click on the Rescan icon: or press ^, or select Rescan Item from the File pull-down menu: The following window appears: Slider bar for brightness setting 3. You have the option of adjusting the brightness of the image during the rescan. To do so, click and drag the slider bar to adjust the brightness setting to the desired level. The brightness returns to its default level after the item is rescanned. 4. Place the item in the scanner and then press E or click on OK. The item scans, and the new image appears on the icapture Thin Client window. 4-27

64 Operations icapture - Thin Client User s Guide Decisioning Items For any item on the icapture Thin Client window whose Status column does not display OK, you must make a decision on how to process the item. You cannot transmit a deposit until all items display OK in the Status column. When you click on an item to select it, the system displays a message advising you about the item s status. Refer to the following pages for a description of the various error statuses. To move to the next item in the deposit that requires a decision, press C+z or select Next Error Item from the Edit pull-down menu: The next error item is then highlighted in the Document Information List. If you select Next Error Item and there are no more error items going forward in the list, the following message appears: If there is an error item above the item that you currently have selected, you must go to the top of the list and then select Next Error Item. 4-28

For any item whose MICR codeline could not be completely read, the word Misread displays in the Status column: 1. Click on the item to select it. The item s image displays at the top of the window and the following message appears: 2. Select Correct, Rescan, or Delete. Correcting If you select Correct, examine the captured codeline to determine which field(s) misread: Correct the invalid field(s) and then press E to save your changes. Refer to Editing Fields earlier in this section for details. Rescanning If you select Rescan, the following window appears: 4-29

67 icapture - Thin Client User s Guide Operations Duplicate Items If a duplicate item is detected during the scanning process within the same deposit, the word Duplicate displays in the Status column: 1. Click on the item to select it. The item s image displays at the top of the window and the following message appears: 2. Select Correct, Rescan, or Delete. Correcting If you select Correct, examine the captured codelines: Correct any invalid field(s), or add a check number in the Item # field to make this item unique, and then press E to save your changes. Refer to Editing Fields earlier in this section for details. Check number not in the MICR line will cause icapture to flag the items as a duplicate. If the maker wrote the check number wrote a check number on the face of the check, you may enter the number. 4-31

Sending If you click on Send, the item s Status column changes to OK. Note that if you send a duplicate item, you may receive an from your bank advising you that the deposit is pending review. Deleting If you click on Delete, the following message appears: When you confirm, the item is deleted from the deposit. 4-33

Then if an opt-out item is detected during the scanning process, the word Opt-Out displays in the Status column: 1. Click on the item to select it. The item s image displays at the top of the window and the following message appears: 2. Click on either Send or Delete. Sending If you click on Send, the item s Status column changes to OK. Deleting If you click on Delete, the following message appears: When you confirm, the item is deleted from the deposit. 4-34

71 icapture - Thin Client User s Guide Operations Canadian Items We have specified on the Opt-Out Customer Setup tab of the Settings window to not process Canadian items through this application. Once the scanning process is completed, if an item is detected as a Canadian item, it is automatically removed from the file and the following message appears: Canadian checks, regardless if in US or Canadian dollars are not eligible for Check 21 processing, the original paper check must be presented to the bank for special handling. 1. Press E or click on OK to accept the message. 2. Remove the physical items and contact your financial institution for instructions on depositing these items. 4-35

72 Operations icapture - Thin Client User s Guide IQA Items If your scanner supports Image Quality Assurance (IQA), and if you have enabled IQA on the Preferences tab of your Settings window, this feature subjects each scanned item to multiple built-in quality checks. If any item fails a quality check during the scanning process, the words IQA Failed display in the Status column: 1. Click on the item to select it. The item s image displays at the top of the window and the following message appears: 2. Click on either Rescan or Delete. Rescanning If you click on Rescan, the following window appears: Slider bar for brightness setting You have the option of adjusting the brightness of the image during the rescan. To do so, click and drag the slider bar to adjust the brightness setting to the desired level. The brightness returns to its default level after the item is rescanned. 74 Operations icapture - Thin Client User s Guide Balancing and Transmitting Deposits Once a deposit is successfully scanned and keyed, and every item in the Document Information list has a status of OK, you can transmit the deposit to your bank. Only authorized users can transmit files. 1. Click on the Send Items to Bank icon: or press *, or select Transmit Deposit from the File pull-down menu: One of the following Balancing windows appears: If the Check total and the Deposit total are in balance, you are ready to transmit your deposit to the bank. If there is a discrepancy, you must return to the main window and edit any incorrect amounts. 4-38

Depending on how you have defined your preferences, you may be prompted to enter your User Code and Password: After transmission is complete, the following message appears: 4. Press E or click OK. Once a file is successfully transmitted, a Deposit Detail Report is generated and the images and codelines of all deposited items are moved into a database where they are retained for a user-specified number of days. Your deposit file is validated by us upon receipt. The we automatically you to confirm that the file has either been validated and processed, or is pending review. If a file is rejected, we will send another and provide a confirmation code that you will need to enter to restore the file for correction and retransmission to the bank. See Correcting a Rejected Deposit later in this section for more information. If you do not receive the within 10 minutes after transmitting, contact Cash Management Service at

Sometimes, it may be easier to delete an entire deposit and start over than to correct the problems in the deposit. If you delete the deposit and rescan the checks, you will have a re-sent error message and will need to decision each item before sending the deposit to the bank. To delete a deposit: 1. Click on the deposit slip to select it in the Document Information list. 2. Click on the Delete icon: or press C+d, or select Delete from the Edit pull-down menu: The following message appears: 3. Press E or click on Yes. The deposit disappears from the window and the following message appears: 4. Press E or click on OK. 4-40

Once you have saved a deposit, you can open and complete it at any time. Saved deposits are sent to the bank for posting. To save a deposit: 1. In this case, you can delete the deposit rather than open it. To delete a saved deposit: 1. Select the deposit you want to delete on the Open Deposit window. 2. Click on the Delete button. The following message appears: 3. Press E or click on Yes. The deposit disappears from the Open Deposit window. 4-43

80 Operations icapture - Thin Client User s Guide Correcting a Rejected Deposit Occasionally, we may reject one of your deposits because there is a problem, such as a duplicate item or an invalid codeline field. If a file is rejected, we will send you an advising you of the problem. In certain instances, the bank will request that you restore, correct, and re-transmit your deposit. To do this, the bank will provide you with a password to restore the deposit. To restore a rejected deposit: 1. Click on the Resend, Restore or Review Previous Deposits navigation icon: or select Retransmit, Restore or Review from the File pull-down menu: The following window appears: Deposit files for the selected date Calendars to select date 4-44

The window then displays the transmitted deposits for the date you selected: 3. Click on the deposit you want to restore. 4. Click on the Restore Selected Deposit button. The following window appears: 5. Enter the 5-digit confirmation code provided by your bank and then press E or click on OK. The deposit is restored to the icapture Thin Client window. You can now correct the deposit and transmit it again. Retransmitted files successfully released to the bank will replace the original deposit entry on the transmission log, replace the original Deposit Detail Report, and replace the original image and data files with the corrected files in the application archive. 4-45

87 icapture - Thin Client User s Guide Operations Creating an Output File icapture allows you to create an Output File containing deposit details for any previously transmitted deposit. The Output File is a standard fixed record length file or a comma delimited file that can be fed into accounts receivable or other systems. We have chosen to default the format as a comma delimited format. The output file can also be in a format that supports the TOPPS accounting system. For example, you might want to key invoice numbers in the reference field during keying. The Output File could then update accounts receivable for posting. You must have the Generate Output File permission to create an Output File. To create an Output File: 1. Click on the Resend, Restore or Review Previous Deposits navigation icon: or select Retransmit, Restore or Review from the File pull-down menu: The following window appears: Deposit files for the selected date Calendars to select date 4-51

You specify on your Options window how many days you want to keep images. For more information, refer to Section 6: System Setup. To find an item: 1. Click on the Look Up Past Documents icon: or press C+h, or select Search History from the Edit pull-down menu: The Find window appears, as seen on the following page. 4-56

This does not replace the requirement of you endorsing the checks. icapture includes an Offline Endorsement feature which allows you to endorse free form text on the items. This should only be done AFTER you have scanned the items and transmitted the deposits to us. 1. Select Offline Endorse from the Tools pull-down menu: The Offline Endorse window appears: 2. Enter the desired endorsement text. 3. Click on the Endorse button. If you have already stacked your items in the scanner, they begin scanning. After the internally prescribed retention period, safely destroy them. A process should be established to validate the receipt of all confirmation s from the bank. Please contact your bank s business center if you do not receive a deposit verification . The bank will also provide you with a Daily Deposit Summary Report that lists the details of each processed deposit file. This report will be delivered via at the end of each business day. Equipment Maintenance Please keep your scanner clean. Dust and other particles will collect over time and can adversely affect the document throughput and MICR read rate. Please refer to your scanner s manual for proper cleaning and maintenance instructions.
