1 Quick Guide for Sending Broadcast s What is the Broadcast tool? The Broadcast tool makes it easy to send a large an to a selection of contacts. This function allows you to enter text, save the text as a template and schedule the for transmission. Quick Concept: Overview The Broadcast tool allows you to personalize and send an to a select group of recipients. is a crucial tool in communicating with your contacts. 1. Before performing a broadcast , make your selection using the necessary search methods. 2. Create your broadcast using tools to personalize and customize your . Then schedule the to be sent to your recipients.

2 Broadcast s: Full Guide First, create a group to whom to send the . Select this list in the same fashion you select a list for reports or call sheets. The results of your search or list will be your current selection. Broadcast works off of the current selection. Anyone within the selection who has an address will be mailed. There is a limit to the number of s that can be sent at one time. This limit can be increased on a case by case basis. After pulling up the current selection, make your way to the Broadcast Client (Tools Broadcast Wizard).

3 Start with the From field. Clearly display a name as well as an actual address. Below you will find CC and BCC. These work exactly the same as they do in Outlook or any other generic client, but only when you are using Save and Send Me Samples. They will not work when sending a regular broadcast and thus are not required. Next, choose a subject heading. Use caution as some words have a high likelihood as being tagged as spam Last, the physical address listed is the default address of your Campaign Office Online account. Change it by clicking on the Change Address button. Click on the Next Step button. Start with Subject Line field, which will be the title of the as it appears in the recipient s inbox. 4 Next, click on the From Name and From Address fields. The From Name willl be the name of the sender, like the candidate or campaign manager. The From Address will be the sending address and also the reply-to address, if the reply-to field is left blank. Last, the Physical Address will appear at the bottom of the . Generally, this address will be campaign headquarters, but you can write in any address. Next, create text for your . The toolbar provides multiple formatting options, similar to those found in Microsoft Word. Notice that there are different symbols, for instance, creates a web hyperlink, and opens the HTML source code. When the HTML Source is being viewed the font type and font size willl be grayed out. To undo the View HTML Source, click the <> button. I Furthermore, PACmaster provides a merge field which allows you to create a customized message. 5 After creating the text for your , make sure to title it, using the Template Name field. This allows you to save your document and can be used in future s. Note, graphics can be placed within the . However, these graphics must be stored online or on any website. You will link to the image using the Custom Image Manager. To access the Custom Image Manager, click the button. To save the template for later use, click on the Save Template button. Saving your layout as a template will allow it to be edited and sent numerous times. The Save Draft button will save the content and layout of the as a draft to be edited and sent at a later date. A pop-up will appear, asking you to title the using the Template Name field. This allows you to save your document and will be easily accessible for future s.

6 We recommend sending samples to ensure that the text and graphics appear as you desire and that links are working. Write in the address of the recipient(s) in the box and click on the Send Me Samples button. The next step allows you to review your list of recipients. Although we recommend that you create a designated contact list before creating the , this step will allow you to both edit a previously made and create a new list. Click on Return to All Records to create a recipient list. After compiling your list, review your list of recipients. Scroll down to the Identified List. The Status field will indicate if the Contact has opt-ed out of receiving s from the campaign or if the address is valid.

7 To continue preparing your Broadcast , check the box I have reviewed and accepted the list of identified recipients and click on the Next Step button. There are a variety of options for sending your . You can wait to send the at a later, undesignated time using the Save for Later option. Another option is to schedule an exact time in the future at which your will be sent. This would be useful if you re sending time sensitive material. Note that you can use the calendar button to the right of this field to select the appropriate date and time. The last option is to Send Now which will send the immediately to your list of recipients.
