As employees get more work done on multiple mobile devices, mobile has become a serious enterprise management, security and productivity challenge. The Hazards of Native Mobile The days when mobile productivity was all about Windows and Macintosh laptops are over. In today s enterprise work environment most collaboration and other work gets done via a variety of mobile devices, including smart phones and tablets. In enterprises with BYOD and COPE implementations, these devices are used for both work and pleasure. Microsoft Exchange ActiveSync allows mobile users to synchronize their smart phone or tablet s native client app with their enterprise Microsoft Exchange account without IT help. Management With such a variety of native clients and versions running on so many different devices and operating systems, it can be difficult for IT to track, secure and update them all. Security The native clients on most consumer mobile devices were not conceived with enterprise security in mind. Many do not encrypt , calendar entries, contacts and attachments, leaving them exposed to snooping and theft either connected over an unprotected wireless connection or on the device itself if it is lost or stolen or the employee leaves the organization. Device encryption can be implemented on ios devices, but in many cases business contact lists and calendars can still be exposed if users succeed in jailbreaking them. Many native clients also allow sharing enterprise information such as contacts, s and calendar items with other device applications and opening attachments in unprotected consumer applications that may be malicious or vulnerable to malicious software and malware downloaded by the user. Productivity Having access to a mobile client and Microsoft Exchange account on a smart phone or tablet may seem to be a productivity booster at first, but in reality most native mobile clients lack the business class features offered by Microsoft Outlook and other business productivity software. Accomplishing simple business tasks such as scheduling meetings at times when others are available, adding attachments to meeting invites, providing file sharing links in s, starting up Web conferences rapidly, and other capabilities that make for smooth collaboration can be slow to enable or even impossible. File links also slash the impact on Exchange and network performance, as the Exchange server no longer has to send out large attachments multiple times to multiple recipients. To save on data service costs, WorxMail can be configured to load attachments only if WiFi is in use and to refrain from downloading images embedded in s. Users can also choose how much is saved on their device at one time to save on search time. Using Citrix ShareFile links also lets senders and recipients view, edit and share data within secure containers and take advantage of an integrated editor with change tracking and insertion of comments, all without leaving the environment. Most mobile applications, including those offered by competing EMM providers, don t allow users to create or forward meeting invites with attachments but WorxMail makes doing so easy. Citrix WorxMail also integrates smoothly with WorxNotes, a secure business class note taking app that lets users create, sync and share notes with defined user groups, and distribute them through WorxMail with a single click. Notes can be combined and distributed as a single rich text file that can be saved and shared via Citrix ShareFile and sorted by tracked location and name. A new WorxMail feature allows users to view all attachments independently of s and save them in a secure container for offline access. Users can also search and sort attachment files by sender and date and them to other recipients. Single-touch convenience Several Worx- Mail features can be enabled with a single or double touch or slide of the finger. For example, users can join online meetings and audio conferences with a single touch of an link--no need to enter a 9-digit meeting passcode if you re driving or otherwise occupied. Other touch features include sending running-late s and meeting notes to meeting participants. Many finger touch and slide actions are customizable by the user, including those for scanning, reading and deleting s, marking s as read or moving s to another folder. XenMobile also supports touch ID for ios devices, allowing users to substitute a finger swipe for entering a PIN every time. VIP Users can configure VIP inboxes and designate certain people as VIP senders. Going to the VIP inbox saves time by showing s only from that VIP sender list. Users can also set a unique notification sound to play when they receive from VIP senders. Enterprise Level Meeting Features Aside from creating and forwarding meeting invites with attachments, WorxMail integrates tightly with Exchange to display the availability of meeting invitees as soon as the user enters their names. Scheduling conflicts appear as each invitee is entered, together with suggested times when all invited participants are known to be available. Most other mobile apps, including those offered by other EMM vendors don t include the comprehensive free/ busy workflow enabled by WorxMail. Out of Office Flexibility Aside from turning off and on automatic out-of-office reply messages, users can type out individual out-ofoffice messages and edit them while on the road, set message time durations and show different messages for internal company and external users. Citrix NetScaler adds further enterprise protection with Denial of Service attack protection, SSL offloading, application specific micro VPN s and strong enterprise perimeter user authentication and access control. Granular Access Control IT can define enterprise and role-based policies to restrict file opening, forwarding, editing and saving to ensure the right level of access for each user. IT can also deploy different solutions to different types of users depending on their risk profiles. For example, for content creators, office administrators and others with low-risk profiles, WorxMail quickly provides Exchange access from a native client. 5 Office 365 Security While Office 365 application files are not secured with MDX encryption due to Microsoft restrictions, users can open up attachments in Office applications secured via device level encryption at rest and Citrix NetScaler device VPNs in transit.
