7 Preface Purpose of this guide This guide provides task based instructions for administering Archive Services for SAP 6.0 (Archive Services 6.0). Note: For the sake of brevity, in this document, Archive Services for SAP is often referred to as Archive Services. Intended audience In order to address the manuals to the correct audience, the following roles have been defined for the users of Archive Services for SAP: System Administrator This role covers users who install and configure Archive Services. The Archive Services application integrates EMC Documentum and the SAP R/3 system. Therefore, system administrators must have experience with the software products listed in the Software requirements section of the Archive Services for SAP Release Notes. Archive Services Administrator This role covers users who manage Archive Services using WebAdmin. Standard User This role covers users who view documents using SAPGUI. 11 Chapter 1 Introducing Archive Services for SAP Overview The Archive Services application integrates the EMC Documentum content management system with the SAP R/3 system. Based on SAP HTTP ArchiveLink 4.5 interface, Archive Services provides a technology bridge between EMC Documentum and SAP R/3. Archive Services for SAP provides the following functionalities: Enables users to access and display documents stored in a Documentum repository from within a variety of SAP modules. Links documents stored in Documentum to a variety of SAP objects. Archives SAP data, reports, and documents through ArchiveLink certified interfaces in Documentum. HTTP Archiving Services is a J2EE servlet that communicates with SAP ArchiveLink. The reports and archived documents can later be retrieved and viewed. A server component that enables you to archive reports, data, incoming and outgoing documents from SAP to the EMC Documentum repository. The archived reports and documents can later be retrieved and viewed through SAPGUI and Documentum clients. This component uses SAP Remote Function Calls (RFCs) to communicate with SAP. An administrative console that allows you to: Create and manage archives. Manage certificates for the archive. Create repository connections for Archive Services for SAP. Documentum Client Library. Manages communication between clients and EMC Documentum Content Server. Contains a library of API calls that are used by clients for execution on the EMC Documentum Content Server. All client requests to the EMC Documentum Content Server go through the DMCL. Cross functional interface that is part of the SAP Basis System. Presents a logical layer to integrate with external systems like AutoCAD or Documentum. Not directly related to ArchiveLink. Product Life Cycle Management (PLM). SAP PLM provides an integrated environment that ensures all people involved in product development, manufacturing, and service have quick and secure access to current information. It provides a set of BAPI calls that can be used by external systems like Documentum. A set of master data, such as customer or vendor data, which is used in the creation of SAP documents. SAP Graphical User Interface. Graphical menu/screen tool that connects a client to the SAP server. Paper based version of a document. Example 1 1. An invoice may consist of two sheets of paper received from a supplier. Paper documents are scanned in and stored as electronic originals in Documentum. 17 Chapter 2 Introducing WebAdmin Overview WebAdmin is a browser based tool that you can use to configure and administer Archive Services. Note: For this release, WebAdmin only supports Internet Explorer. WebAdmin allows you to configure Archive Services s HTTP Archiving Services. Refer to Chapter 4, Configuring HTTP Archiving Services. This chapter describes: Logging in to WebAdmin, page 17 Introducing the WebAdmin GUI, page 18 Logging in to WebAdmin You need to log in to WebAdmin before you can use the it to configure Archive Services. To connect to WebAdmin: 1. Open your browser. 2. Type the following URL to access WebAdmin: port number>/<archive Services for SAP virtual directory>/jsp/ login.jsp <Archive Services for SAP virtual directory> refers to the virtual directory that you defined when installing Archive Services for SAP as described in the EMC Documentum Archive Services for SAP Installation Guide. 3. From the Docbase drop down list, select the required repository. 4. In the Name field, type a valid user name for the selected repository. 5. In the Password field, type the corresponding password. 6. In the Domain field, type the domain name that the repository user is a member of. 7. 18 Introducing WebAdmin 8. Click Log in. The initial page of WebAdmin is displayed. After completing your administrative tasks, you can disconnect from WebAdmin by clicking the Disconnect link. Note: By default, WebAdmin will disconnect automatically after 20 minutes of inactivity. However, this parameter can be customized: edit the value for the max_session_count parameter in dmcl.ini file. Introducing the WebAdmin GUI Once you have logged on to WebAdmin, the initial page is displayed. Figure 2. WebAdmin Initial page The left pane of the initial page contains three buttons: 1. ArchiveLink Clicking the ArchiveLink button opens the ArchiveLink page in right pane. The ArchiveLink page allows you to configure RFC destination, archives, certificates, barcodes for Archive Link, and repositories. The SAP page allows you to configure the SAP Servers and Users to be used by Content Services. The SAP page contains two tabs: Server User The various tasks that you can perform in these tabs are described in the following table. 21 Configuring Connections to SAP Chapter 3 Before you can use Content Services Archive functionality, you must first configure the SAP server and user information in Archive Services for SAP. In order to communicate with both SAP and Documentum, Archive Services for SAP must know the server and user login details for each system. The Documentum login parameters are specified when the Archives are created; refer to Configuring, viewing, and editing archives, page 23 for more information. When Content Services for SAP connects to Documentum Content Server, it reads the SAP server and user configuration parameters from the repository. Content Services for SAP was designed so that you can configure multiple SAP servers and users. This allows Content Services to be used across multiple SAP application servers. It is recommended that you create a specific user in your SAP system for use with Content Services. The procedures in this chapter describe how to configure SAP servers and SAP users that will be used by the WebAdmin application to access SAP. The contents are: Creating, viewing, and editing connections to an SAP server, page 21. Creating, viewing, and editing an SAP user, page 22. Creating, viewing, and editing connections to an SAP server To create, view, or edit connections to an SAP server: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click SAP and ensure that the Server tab is open. 3. Choose Create a New Configuration from the Choose a Server: drop down list or choose the server to view or edit. 22 Configuring Connections to SAP 4. Enter a name for the Server in the New Server s Name: field. Default Server in the example. 5. Do one of the following: If you want to log in to an SAP server: Type the hostname or IP address for the server. When an SAP router is used, fill in the complete SAP router string in the following format: /H/router1/H/<host_name_or_IP_address. If you want to log in to an SAP group, which is associated with an SAP R/3 server, type the following in this field: MSHOST=<message_server_host> R3NAME=<SAP_system_ ID> GROUP=<SAP_group> 6. Enter the System Name and Number in the appropriate fields. 7. Click the appropriate button to Save, Cancel, Copy or Delete the SAP server configuration. Creating, viewing, and editing an SAP user To create, view or edit an SAP user: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click SAP and ensure that the User tab is open. 3. Choose Create a New Configuration from the Choose a User: drop down list or choose the User that you want to view or edit. The SAP User Configuration window appears. 4. Enter a name for the User in the New User s Name: field. 5. Enter a password for the user. 6. Enter the Client Number. 7. Choose the language from the drop down list. 8. 23 Chapter 4 Configuring HTTP Archiving Services Overview This chapter describes how you can configure Archive Services for SAP. This chapter does not discuss the configuration of SAP using SAPGUI; SAP needs to be configured first before it can work with Archive Services. Information related to configuring SAP is available in the Configuring SAP R/3 for Archive Services for SAP. The procedures in this chapter describe how to: Configuring, viewing, and editing archives, page 23. Efficiently handling scanned single component SAP documents, page 27. Working with SAP archive certificates, page 28. Configuring, viewing, and editing repository connections, page 30. Configuring barcodes, page 30. Managing temporary disk space in Archive Services host, page 32. Configuring, viewing, and editing archives SAP uses named logical archives to specify target storage. Installations, typically, have a number of archives related to the different types of information which are archived. Example 4 1. Archive AA may be used to archive Print Lists from SAP. As an administrator, you may want to configure the Archive Services to archive Print Lists in the following Content Server directory: /SAP/Printlists. Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure Archive Services to archive outgoing documents in the following Content Server directory: /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents or data from SAP for each logical archive. All configuration objects created in WebAdmin are stored within the Content Server. EMC Documentum Archive Services for SAP Version 6.0 Administration Guide 23

24 Configuring HTTP Archiving Services Example 4 2. Each archive configuration, such as AA, or BB, can be found in the following Documentum Content Server folder: /System/DocLink/SAP/Archive. Before configuring an archive in Documentum, you must create a similar archive in SAP (refer to the OAC0 Defining a Logical ArchiveID in SAP section of the Configuring SAP R/3 for Archive Services for SAP document). After creating an archive in SAP, WebAdmin can be used to mirror the SAP configuration and define Content Server specific configuration options. To configure, view or edit archives: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. Ensure that the Archives tab is open. 3. From the Choose an Archive: drop down list: Select Create a New Configuration Or Select an existing archive to view or edit it. The archive configuration page opens in the right pane. Note: If you do not wish to create a new archive, you can also copy an existing archive and name it differently. To copy an archive, perform the following tasks: 1. Select an existing archive to edit it. 2. Click Copy. 3. In the Explorer User Prompt dialog box that appears, type a new name for the archive. 4. Click OK. The copied archive is now available for you to view or edit. Skip to step 5 to know what parameters can be configured for the archive. 4. If you are creating a new archive, in the New Archive s Name: field, type a name for the archive. 5. Parameters in archives configuration page Field name Archive ID SAP Document Type Documentum Type Attribute Map Description Name of the SAP archive (as defined in the OAC0 Defining a Logical ArchiveID in SAP section of the Configuring SAP R/3 for Archive Services for SAP document). Set to NONE (HTTP provided). Specifies the Documentum document type. Refer to Configuring the repository Document Type, page 26. The attribute map is used to define the Documentum attributes of an archived document. There is a special attribute FOLDER that can be configured. To specify the folder path, use the following format: ʺFOLDER=ʺ/SAP/Archive/AAʺ In the Attribute map, you can also set the following attributes: a_storage_type a_retention_date Note: For more information, refer to Setting Centera related attributes in Archive Services, page Click the appropriate button to Save or Cancel the archive configuration. Deleting archived and linked documents In a repository, if you delete version 1.0 of a document that is linked to SAP or archived from SAP, the link to SAP is also deleted. This is because the dm_relation object which creates the link to SAP is deleted when the parent object (which is always version 1.0) is deleted. We recommend that you do not delete the original version of objects that are linked to SAP if you want to maintain their link to SAP. If you need to delete version 1.0 of a EMC Documentum Archive Services for SAP Version 6.0 Administration Guide 25

26 Configuring HTTP Archiving Services document, but want to keep the link to SAP, then, after deleting the document, you must relink the object to SAP, outside of Archive Services. Configuring the repository Document Type The value of the Document Type field defines the object type used to store the document in the repository. This object type must be a sub type of dm_document. Example 4 3. sap_print_list. Customizing Platforms using Service based Business Objects Documentum Business Objects are designed to provide modular business logic to the presentation layer by hiding the underlying docbase schema and by using Documentum core services, facilitating customization of object behavior without modifying any existing application built on DFC. Service based Business objects (SBOs) are generalized objects that provide a specific service that may operate on different Documentum object types or other business objects, and are not tied to a specific Documentum object type. Each service based business object provides a generalized interface to a group of related operations that need to be performed. The operations may not need access to a docbase, however, content management services are the focus of Documentum Business Objects. The archiving operation can be customized using a custom filter, such as an SBO. To enable Documentum archiving customization using SBOs, an archive configuration can specify an SBO as a custom filter. Archive Services will dynamically execute a method doarchive (IDfPersistentObject obj,string archiveid) throws DfException which necessarily be defined in the SBO. 1. The SBO must have a method void doarchive (IDfPersistentObject pobj, String archiveid) throws DfException. 2. The message returned to SAP http response, in the event of any error while executing the archive customization method, should be returned by doarchive(..) method in the exception message. 3. The call to doarchive(..) runs within the context of an archiving transaction and AS SAP will do a commit() when SBO doarchive(..) is successfully executed. 4. The SBO module need not handle any function for session management for the SessionManager passed by AS SAP. 27 Configuring HTTP Archiving Services release. SBOs can obtain session by calling getsessionmanager(), getsession(), or just getsession(). 5. SBOs should not release the session obtained by session management described in 4. However, if any session manager or session is created in SBO explicitly, SBO has the responsibility to release it. 6. AS SAP will pass the IDfPersistentObject corresponding to the archived object to doarchive(..) method of the SBO. Also the archive ID will be passed (if it is an archive config object). 7. AS SAP will set the SessionManager corresponding to credentials specified in docbase configuration for the docbase to the SBO. Customizing platforms using SBOs Follow this procedure to customize platforms using service based business objects (SBOs). 1. Login to CSSAP webadmin and navigate to the archivelink configuration. 2. Select Edit Archive Configuration. 3. Enter the SBO service name, prefixed with!# in the custom filter text box, and save. 4. Archive a document to the content repository from SAP. The customized functionality implemented in SBOs doarchive() method will be executed. Efficiently handling scanned single component SAP documents Archive Services efficiently archives single component, medium sized ( KB) SAP documents by processing them in memory, without using the disk. This processing method reduces the time taken to archive files. The ability to handle the files in memory is very useful when large volumes of single component SAP documents need to be archived. A typical example would be when a large number of invoices are batch scanned and then archived using Archive Services. To configure the maximum size of files that can be processed in memory, do the following: by EMC Documentum Archive Services for SAP Version 6.0 Administration Guide 27

In the al.properties file (available here: <Application Installation Root Directory>\webapps\archivelink\WEB INF), locate the following attribute: archiving.inmemory.maxsize=10 The default value is 10 KB. 2. Change the value of this attribute as per your needs. The maximum size of a single component SAP document that can be processed by Archive Services in memory is 2 GB. Note: Before you configure Archive Services to process documents as big as 2 GB in memory, verify if the existing memory can handle such loads. Working with SAP archive certificates Archive Services uses an HTTP connection between the SAP server and the Web server (where Archive Services is installed). SAP R/3 uses this internet based protocol to send and receive information between R/3 and Content Server. However, before archiving can take place, a digital certificate must be generated from R/3 and installed in Content Server. This certificate is used by Archive Services to validate: that the request parameters have not been altered/corrupted in transmission the identity of the R/3 server sending or receiving information. If digital certificates are not used, it would be possible for non authorized persons to spoof the Content Server into returning information that they are not allowed to access. A different certificate is used for each archive. So, archives AA, BB, and CC would each have their own certificate which is used when transferring information between R/3 and Archive Services for SAP. Certificates are not created directly in WebAdmin. They are passed to Archive Services (and into the Content Server) when a certificate is sent from SAP. Sending certificates to HTTP Content Server After creating an HTTP archive in SAP (using transaction code oac0), you can use SAP transaction oaht to send archive certificates to Archive Services. Clicking Execute transmits the certificate to Archive Services. 29 Configuring HTTP Archiving Services the Web server is not running the archive parameters are incorrect. Note: The server may not be able to translate a host name into an IP address. Try using the IP address instead. If the certificate is successfully transmitted, it will be listed in the Certificates tab of WebAdmin. Tip: The first three characters of the certificate name are the system name of the SAP server that sends the certificates. The last two characters of the certificate name are the same as the archive name. Note: The corresponding archive should be displayed. If this field is blank, this is probably because the archive configuration object has not been created in WebAdmin yet. Before a certificate can be used, it must be activated and set with an expiration date. This ensures that a controlled procedure is followed before a system can archive information into Content Server. Activating and customizing certificates To activate and customize certificates: 1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page Click ArchiveLink. 3. Click the Certificates tab. 4. From the Choose a Certificate drop down list, select an existing certificate. 5. In the Status drop down list, do one of the following: To activate the certificate, select Activate. To deactivate the certificate, select Deactivated. Refer to Logging in to WebAdmin, page Click ArchiveLink. 3. Click the Repositories tab. 4. From the Choose a Docbase drop down list: select Create a new configuration... OR select an existing repository connection. The repository s connection configuration page appears in the right pane. 5. In the Repository Name field, type a name for the repository. 6. In the User Name field, type a valid user name for the repository. 7. In the User Password field, type the corresponding password for the user name. 8. In the Domain field, type the domain name that the user is a member of. 9. Click Create. 10. To test the newly created repository connection, click the Test Connection button. An information message appears below the Test Connection button, indicating that the repository connection has been tested successfully. 11. To save the repository connection configuration, click Save. OR To delete the repository connection configuration, click Delete. Configuring barcodes You will need configure the following before configuring barcodes: To enable archiving, an RFC destination has to be configured. Before configuring a Barcode for an Archive, the Archive has to be configured You may want to use barcodes to identify and link documents in the repository with records in SAP. You may also use a custom attribute to store the barcode. The barcode may be a unique number assigned to the document when it is received. Note: The document may also be scanned in before it is posted in SAP (early archiving). For example, in late archiving, documents are scanned and stored in a Documentum repository after an SAP document has been processed. In other words, the SAP document is posted as usual by transferring the data from the original paper document to the system. The original paper document is forwarded to an input location, where it is scanned and then assigned to the SAP document based on a barcode. A typical scenario for implementing barcode support is in late archiving with barcodes. The scenario is: 1. The image is scanned. 2. The barcode is recognised (by third party software). 3. The barcode is stored as a number in an object attribute (by third party software). 4. The image is forwarded onto the Archive Server by using a dm_router workflow to distribute the image to the Archive Server s inbox. 5. The Archive Server uses the WebAdmin configured barcode list to determine which attribute contains the barcode number. 6. The Archive Server passes the image information and barcode number onto SAP for linking to the relevant SAP object. Use the following procedure to configure barcodes: 1. Connect to WebAdmin. Managing temporary disk space in Archive Services host When an SAP file archive file is accessed, the Archive Services for SAP application fetches the file to the local disk and then starts streaming the content back to SAP. These locally cached files are managed by DMCL, and an algorithm implemented in DMCL determines when the files are cleaned up. If dmcl.ini is not configured appropriately, the disk may reach its default maximum capacity at some point. In order to avoid choking the disk space with these temporary files, modify the local_diskfull_limit attribute of the dmcl.ini file. The local_diskfull_limit attribute specifies the maximum disk space assigned for storing locally cached files, and is expressed as a percentage between 1 and 100. 33 Chapter 5 Configuring RFC Archiving Services Overview When configuring Archive Services, you can configure either an HTTP based Archive Server or an RFC (Remote Function Call) Archive Server. By default, it is recommended that new installations are based upon the HTTP based Archive Server. The primary reason is that SAP will focus future development at the HTTP based archive protocol. This chapter describes configuring with an RFC (Remote Function Call) Archive Server. This chapter does not cover the SAP side configuration required to install and configure the archive interface. This can be found in Configuring SAP R/3 for Content Services for SAP. The procedures in this chapter describe how to: Configure the RFC Destination. Refer to Configuring, viewing, and editing an RFC destination, page 33. Configure Archives. Refer to Configuring, viewing, and editing archives, page 35. Note: When viewing the ʺArchivelinkʺ section in WebAdmin, you will see a tab called ʺCertificatesʺ. This section is not used when configuring or using RFC based archives. Configure barcodes. Refer to Configuring barcodes, page 38. Note: When viewing the ʺArchive Linkʺ section in WebAdmin, you will see that a tab called ʺCertificatesʺ. This section is not used when configuring or using RFC based archives. Configuring, viewing, and editing an RFC destination Documentum Content Services archive uses SAP RFC (Remote Function Call) to communicate with SAP. In order to link documents in a repository with records in an SAP archive, you must configure the SAP RFC connection so that the Documentum Content Services Archive software can connect to the SAP server to register itself as an SAP RFC Destination. 34 Configuring RFC Archiving Services Use the following procedure to configure, view or edit the RFC destination: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the RFC Destination tab is open. 3. Choose Create a New Configuration from the Choose a Job: drop down list or choose an existing RFC Destination name to view or edit. The ArchiveLink RFC Destination screen appears. 4. The following parameters can be configured: Table 6. It is recommended to set program ID and RFC destination name to the same unique value. This must also match the SAP configuration. Path of the shared directory where the SAP server puts files to be archived and where SAP receives files back from Documentum. This path must correspond to ArchiveLink configuration in SAP system (refer to Configuring SAP R/3 for Content Services for SAP for more information about configuring the SAP system). If the ArchiveLink program is installed on a different server than R/3, then you must mount the corresponding directories with NFS. The configured value in the SAP Client Path field must specify the path as seen from the server where the ArchiveLink program runs. If the ArchiveLink program runs on the same server as the SAP system, the configured value must match the R/3 configured value. Note: On Windows NT the path names must be specified with the NT specific path notation (You can use the absolute path (for example \\sap46\sapshare) or a drive letter (for example M:\). It is very important that the shared directory is mapped from the SAP server as the same user under which the Content Services Archive processes run. 5. Click the appropriate button to Save or Cancel the RFC Destination configuration. Configuring, viewing, and editing archives SAP uses named logical archives as a mechanism to specify target storage. Installations will typically have a number of archives relating to different types of information which will be archived. For example: Archive AA may be used to archive printlists from SAP. As an administrator, you may want to configure the system to store printlists within the Documentum Content Server folder /SAP/Printlists Archive BB may be used to archive outgoing documents from SAP. As an administrator, you may want to configure the system to store outgoing documents within the Documentum Content Server folder /SAP/Outgoing. WebAdmin allows you to specify rules for how to handle archived documents/data from SAP. As shown above, this may be simply to store different types of information in different locations for better housekeeping. However, it may also be desirable to specify access permissions, initiate workflows, or define whether received documents should be rendered into formats such as HTML and PDF. All configuration objects created in WebAdmin are stored within the Documentum Content Server. For example, each archive configuration (e.g. AA, BB) can be found in the Documentum Content Server folder /System/DocLink/SAP/Archive. 36 Configuring RFC Archiving Services Before configuring an archive in WebAdmin, you must first create the archive in SAP. When this has been done, WebAdmin can be used to mirror the SAP configuration and define Documentum Content Server specific configuration options. To configure the relationship between a repository folder and an SAP Archive: Use the following procedure to configure, view or edit the archives: 1. Connect to WebAdmin. See Logging in to WebAdmin, page Click Archive Link and ensure that the Archives tab is open. 3. Choose Create a New Configuration from the Choose an Archive: drop down list or choose an existing Archive to view or edit. The ArchiveLink Archive Configuration screen appears. 4. Enter a name for the Archive In the New Archive s Name: field. 5. The following parameters can be configured: Table 7. The attribute map is used to define the Documentum attributes of an archived document. There is a special attribute FOLDER that can be configured. If nothing is specified, the document is stored in the default cabinet. To specify the folder path, use the following format: ʺFOLDER=ʺ/SAP/Archive/AAʺ. Configuring the repository document type The value of the Document Type field defines the object type used to store the document in the repository. The default format is sap_archive.
