1 Online Booking Portal User Guide V1

2 Introduction This user guide is designed by Dean Taxis to help you using our online booking portal. If you encounter any issues that are not covered in this guide, please Accessing the online portal To access the online portal, please navigate to You will be greeted by a webpage that displays Dean Taxis logo and asking for a pickup/drop off location. This is our online portal main page. Registering a new login Before you can use the online portal, you are required to create an account. The benefits of creating an online account not only include the online portal use, but also the same credentials will also log you in to our new smart phone app and have full control of your bookings on a PC or on any other mobile devices. The below screen shows the registration form that appears when you create a new account: Please complete all the details on the form to create an account. When all fields are filled and details confirmed, click on submit and the account will be created. After this you can log in with your new account.

3 Logging in To login select the login button at the top of the page to be presented with a box asking for your address and password, as shown below: Creating a new booking After ensuring you are logged into the system (this can be confirmed by verifying a name is shown in the top left of the screen as shown in the image below circled) you can now make a booking.

4 Choosing a pickup date and time To change the pickup date form the default, click you mouse into the box called pickup date and a calendar will appear, allowing you to select a date. This can be shown in the image to the right. To change the time from the default selection (soon as possible), select the pickup time box and a selection wheel will appear for time selection as shown on the image to the left. Selecting a pickup address/drop off address A pickup address can be selected by partially typing the address you are looking for in the pick up box as shown in the image on the right. For example, if you type Dean Taxis, a list of addresses matching Dean Taxis will appear. Click on an address to select it as your pick up. Using favourites and recent The system will automatically save any recent addresses you have used, to select these just select the drop down box next to the address field and this will bring up a list of recent addresses used. You can also find any favourites in this box. Driver notes Driver notes can be used to provide extra information for the driver on a certain booking. These can include things like; flight details, pick up instructions, optional telephone numbers etc. Selecting number of passengers At the moment it is only possible to book regular saloon cars for up to 4 people on the online booking portal. For any other specialist vehicles please contact our Control Room on for further assistance.

5 Choosing a payment type When booking a taxi, we allow various methods of payment options in the form of cash, credit card or account (account is for corporate account holders, if you have a corporate account and wish to have it set up for the online portal please contact appsupport@deantaxis.co.uk). The option which is greyed out is the option selected for the current booking as shown in the image to the right. Click the Get Quote button to continue after payment method has been selected to progress to the booking confirmation. Booking confirmation screen The image below shows the booking screen which is shown after you have clicked on the Get Quote box. On the booking screen the route of the journey is shown on the map on the top half of the page, with A being the pickup location and B the drop off. On the left of the map image is Your Journey box which will give an estimated travel time and mileage of the job. On the bottom half of the booking page there is a breakdown of the journey details on the right and on the left, an estimated price for the journey as well as an estimated time of arrival (ETA) for you vehicle. You can also add a telephone number to get text alerts of when your vehicle has been dispatched and who the driver is. When you are ready to place the booking, click on the Place Booking button circled in the image above.

6 Booking status page After placing the booking you are shown the Booking Status Page as shown below: The bottom half of the Booking Status Page has the booking confirmation details as well as a status bar to show when the vehicle is dispatched, passenger on board and completed the booking. You can also cancel the booking by clicking on the red Cancel Booking box on the right of the image above. Settings The user profile settings page allows customisation of the following categories: 1. Modify Contact Details 2. Change Password 3. Setup Favourite Bookings 4. Add/Remove Credit Cards 5. Add/Remove Accounts (Corporate Users Only) To access the user profile page, select you account name at the top right of the screen and the select My Profile form the drop down box.

7 Changing you contact details To modify your contact details access the My Profile screen then make sure the User Profile tab is selected, as circled in the image below: Using this page, change any details as required then click on the Change Details button to save the changes. For password changes, click on the Change Password button to save any changes. Adding a favourite address To access the favourites menu, select the Favourites tab in the My Profile' section. The display will show the below image:

8 On the Favourites tab shown above, you can add, modify and delete favourite addresses. You can also set a name for each saved address, such as work or home. Managing saved credit cards Again, in the My Profile section, you can click on the Credit Cards tab to take you to the credit card page as shown below: On the above page shown, you can add, delete, modify and set a default credit card to be used in your online booking account. The default card is shown by a blue box at the end of the card which is set as default; this is circled in the image above. Adding a new credit card When in the Credit Cards tab, when you click add a credit card you are presented with the box shown in the image below:

9 Please fully complete the form as all the information is required. For the 'Description' box at the bottom of the form in the above image, add a reference for the card such as Work, Personal etc. when you have confirmed all the details click Save in the bottom left and the card is added. Corporate accounts & adding a new corporate account The new Dean Taxis online booking portal has the facility to allow bookings to be made on corporate accounts as another payment option. The corporate accounts are provided to business users who have applied to Dean Taxis for a corporate account, for more information on this please contact our accounts department which can be reached through our control room on or directly to accounts@deantaxis.co.uk. To add a new corporate account, click on the Accounts tab in the My Profile section. From the accounts page, click on the Add Booking Account button which will bring up the box shown below: The box shown in the above image asks for Account Identifier and password. The account identifier is obtainable from Dean Taxis at the request of a corporate account holder; please contact accounts@deantaxis.co.uk if you would like your account identifier code. The password can be chosen by yourself or we can assign one for you, whichever you would prefer. Once both boxes are complete, click Save and the account will be saved to your online booking portal for future use. Using the map to select a pick up or drop off location With the new online booking portal, you can now click on the map to select addresses instead of typing the details in. this I shown on the image below:

10 When on a new booking screen, click on a location on the map (in the top half of the page) that you want to be your pick up or drop off point. A box will appear after you have clicked on a location displaying the address and asking if you want this to become your pick up or drop off point (pick up in green and drop off in red in the image above), click on which you wish the location to be and the details will be entered into the pick up/drop off line of the booking screen. Adding a new booking template Booking templates are a great way to make a booking without filling in all the job details every time you want to book a specific journey. For example, if you have a regular job from Site A to Site B, you can save the details as a template so it is quicker to book again in the future. To add a new booking template, complete the booking form as per normal including any extra details you want to be included with this template. Then you click on the icon of the pen on the notepad as circled below in the image: After you clicked on the pen and notepad icon, the Create new template box will appear as in the image above. Choose a name for the template and click on Save and the template will be saved for future use. Using & deleting a booking template After you have saved a booking template, when you are on the main booking page you will see all saved templates on the bottom left of the page, in the image below we have the template Office To Work saved. To use on of your saved templates, click on the blue circle with the arrow in at the end

11 of the template name (circled in the image below) to apply that template to the booking page. All details will then auto populate onto the main booking form as shown in the image below: Once the information has been populated proceed to book your job as normal. To delete a previously saved template, click on the red circle with the white line through at the beginning of the template name to permanently delete that template. Viewing & cancelling previous bookings To view your previous bookings, click on My Bookings at the top right of the screen next to your log in name and you will then have some tab options to view Bookings listed by date, Open bookings, Completed bookings and Cancelled bookings as shown in the image below:

12 The Bookings listed by date tab shows all bookings in date order, while the other tabs only show the relevant bookings. To cancel a booking, find the relevant booking in Bookings listed by date or Open bookings, you will be presented with the above image of the booking summary from here you can view the full booking details or below is the button to cancel that particular booking (circled in the above image).
