1 User Addendum User Box Scan support on the Fiery E C-KM Color Server, version 1.1 This document describes installing software for User Box scan support on the Fiery E C-KM Color Server, version 1.1, from the Utilities DVD for BOX Scan Support. When you have installed the software, you can use Fiery utilities (Fiery Bridge, Fiery Remote Scan, and WebTools) with User Boxes in a scanning workflow, which is described in this document also. Finally, information about known issues in this release is provided on page 15. In this document, the term Fiery E 10 is used to refer to the Fiery E C-KM Color Server, and the term copier is used to refer to the color copier connected to the Fiery E 10. NOTE: Using the functions on the copier is described in the documentation that accompanies your copier. User Box allows you to scan documents from the copier glass or through the copier s automatic document feeder (ADF) and save the scanned images to mailboxes on the copier hard disk drive. 2 Page 2 To access the User Box feature on the copier from client computers, four conditions are necessary: The LAN cross-over cable must be connected to the Fiery E 10 and the copier. The Fiery E 10 system software must be version 1.1 or higher. The update file 1-14M9M9 must be installed on the Fiery E 10. The latest utilities (Fiery Bridge and Fiery Remote Scan) must be installed on client computers. Install the 1-14M9M9 update file only on Fiery E C-KM Color Server, version 1.1 or higher. Installing the update file on version 1.0 may cause the system to operate unpredictably. NOTE: If system software is reinstalled later, the file 1-14M9M9 is deleted and support for the User Box is removed from the Fiery E 10. Therefore, to maintain support for User Box, the 1-14M9M9 update file must be reinstalled following reinstallation of system software. Always keep the 1-14M9M9 file with the associated system software media, in case you must reinstall it. When the User Box is supported by installing the 1-14M9M9 file, Fiery mailboxes are no longer accessible. Installation of software Installing the update file This section describes installation of the update file. Before you begin, do the following: Print a Configuration page and check: The software version in the Server Info section The System Updates log to see if the update file 1-14M9M9 has already been installed If an update is necessary, archive jobs residing in the current Fiery mailboxes. Jobs residing in the current mailboxes are deleted when you update the Fiery E 10. To update to v1.1 system software, refer to the Service Guide (7 July, 2009) or the document Upgrading the Fiery E C-KM Color Server. When these actions have been completed, follow the procedure on page 3 to install the update file.
3 Page 3 TO INSTALL THE 1-14M9M9 UPDATE FILE 1 Make sure that the LAN cross-over cable is connected to the Fiery E 10 and the copier. 2 Make sure that the Fiery E 10 is v1.1 or higher. Print a Font List and a Configuration page. Verify that version 1.1 or higher appears in the Server Info section. If version 1.0 is recorded, you must upgrade to v1.1 system software as described in the Service Guide (7 July, 2009) or the document Upgrading the Fiery E C-KM Color Server. Remember that system software installation begins by deleting everything on the HDD, including all jobs in current mailboxes and all customer-supplied fonts. 3 Make sure that the Fiery E 10 is not processing a print job. 4 Temporarily remove any dongles (such as SeeQuence Suite Compose or Impose) or USB storage devices (such as flash or thumb drives) that may be attached to the Fiery E 10. The update process may fail if other dongle(s) or USB storage devices are connected to the Fiery E Insert the Utilities DVD for BOX Scan Support into a client computer that can connect to the Fiery E Browse to the User Box Scan Support folder on the DVD. 7 Double-click the update file 1-14M9M9.exe. The Fiery Patch Downloader application starts. 8 Click Next. The License Agreement window appears. 9 Click Accept. The Logon dialog box appears. Type the required information. User: Type admin Password: Type Fiery.1 The default password for the Fiery E 10 is Fiery.1 when it is shipped. If you are using the default password, type Fiery.1 exactly. The password is case-sensitive; for example, fiery.1 will not work. Hostname: Type the IP address of the Fiery E 10. Locate the IP address on the Configuration page that you printed earlier. 10 Click Connect. The Server Information window appears. NOTE: If the message Warning for patch 1-14M9M9. This patch is already installed is displayed, click OK to continue.
4 Page 4 11 Click Download. The file 1-14M9M9 is extracted and downloaded. 12 Click Next when the file extraction is complete. 13 Select Reboot Fiery, and then click Finish. 14 When the Fiery E 10 reaches Idle, return the Fiery E 10 to its factory default settings: NOTE: This temporary return to the factory default settings is necessary to delete the old Fiery mailboxes and avoid conflicts with the new User Box feature. Enter Setup through the copier touch panel. (The Factory Defaults option is not available through WebTools.) Press the Utility/Counter key on the copier. Touch Controller Details. Touch Menu. Scroll down and select Run Setup. At the message Continue to Setup?, touch Yes. The Fiery E 10 reboots. When it becomes available, touch Controller Details. When the keyboard screen displays, type Fiery.1, and then touch Enter. NOTE: Type Fiery.1 exactly. The password is case-sensitive; for example, fiery.1 will not work. In the Setup menu, scroll to the last page and select Factory Defaults. At the message Reset server to factory settings?, touch Yes. After resetting Factory Defaults, the Fiery E 10 shuts down automatically. 15 Press the Soft power button to start the Fiery E When Language Setup displays on the copier touch panel, select a language. 17 Enter Setup to restore the previous Fiery E 10 Setup configuration. Use the Configuration page you printed in step 2 as a guide. NOTE: When configuring Network Setup > Protocol Setup > IPv4 Setup > Ethernet Setup, make sure that Obtain IP for Engine is set to Yes. 18 When you exit Setup, wait for the Fiery E 10 to reboot and reach Idle. NOTE: As a reminder, before proceeding make sure the LAN cross-over cable is connected to the Fiery E10 and the copier.
5 Page 5 19 To finalize the update process, you must cycle power on the Fiery E 10 and the copier in the following order: Shut down the Fiery E 10. Shut down the copier. Power on the Fiery E 10 and wait 10 seconds. Power on the copier. 20 Connect to the Fiery E 10 through WebTools or Command WorkStation. 21 Ensure that the latest utilities Fiery Bridge and Fiery Remote Scan are installed on client computers. 22 Verify the installation: Print a Configuration page. On the System Updates log, verify that the last file name in the log is 1-14M9M9. Launch WebTools and find the new tab, Mailbox. 23 Reattach any dongles(s) and USB device(s) that you may have removed earlier from the Fiery E If you reinstalled system software in step 2, reinstall customer-supplied fonts. Installing Fiery utilities The Fiery utilities that you can use to access scans from the User Boxes on the copier are the following: Fiery Bridge accesses scanned documents in User Boxes directly from a client Windows computer. Fiery Remote Scan retrieves scans in User Boxes from client Mac OS and Windows computers on the network. Includes the Scan TWAIN plug-in module. WebTools allows you to manage your Fiery E 10 remotely from the Internet or your company s intranet.you can retrieve scan jobs in User Boxes to your remote workstation using the Mailbox WebTool. Use the Mailbox WebTool to create, edit, and delete User Boxes. Fiery Bridge and Fiery Remote Scan are installed on client computers. WebTools is installed with the update file on the Fiery E 10.
6 Page 6 Installing Fiery Utilities on a Windows computer All installation of user software on a Windows computer is done through the Fiery User Software Installer. The following procedures describe installing and modifying the Fiery utilities from the Utilities DVD for BOX Scan Support. TO INSTALL FIERY UTILITIES ON A CLIENT WINDOWS COMPUTER 1 Insert the Utilities DVD for BOX Scan Support into the DVD drive of the computer. 2 Open the DVD. 3 Click the MasterInstaller.exe icon. 4 Follow the on-screen instructions. Do not attempt to install user software by opening the individual folders for the applications. To modify or remove user software after you have installed it on your computer, use the Utilities DVD for BOX Scan Support and the following procedure. TO MODIFY USER SOFTWARE ON A WINDOWS COMPUTER 1 Insert the Utilities DVD for BOX Scan Support into the DVD drive of your computer. 2 On the window that appears, select Add/Remove, Repair, or Remove. 3 Follow the on-screen instructions. Installing Fiery utilities on a Mac OS X computer Installation of user software on a Mac OS computer is done separately for each application. Fiery Remote Scan is supported on Mac OS computers. TO INSTALL USER SOFTWARE ON A MAC OS COMPUTER 1 Insert the Utilities DVD for BOX Scan Support into the DVD drive of your computer. 2 Browse to the OSX folder. 3 Double-click the Fiery Remote Scan icon. 4 Follow the on-screen instructions.
7 Page 7 Scanning workflow on the copier About the User Box feature The User Box feature on the copier allows you to scan documents from the copier glass or through the copier s automatic document feeder (ADF) and save the scanned images to mailboxes on the copier hard disk. You can then send the scans to specific destinations, such as the local drive, the Fiery E 10 hold queue, , and FTP, and also retrieve them using Fiery user software. To save data to a User Box, create the box, and then scan the data to the specified box. Each user can have access to multiple boxes: Public, Personal, and Group boxes. Public User Boxes are accessible to everyone, Personal User Boxes are assigned to a single user, and Group User Boxes can be used by the users who are logged in as members of that User Box group account. User Authentication Different levels of authentication are supported on the copier. User authentication may be enabled to access the copier, as well as mailboxes, depending on the type of mailbox and the environment. Public boxes are accessible in any scenario, with user authentication turned on or off. For Personal boxes, user authentication is turned on, and then users create their own personal boxes by entering a box/name and an optional password. For Group boxes, the account track feature must be enabled on the copier, and a password and user name are required to access each box. To find out what levels of user authentication have been set on the copier, ask your system administrator. NOTE: See the User s Guide [Box Operations] manual that came with your copier for more information. File handling The copier supports the following file formats: PDF, Compact PDF, TIFF, JPEG, XPS, and Compact XPS. The default file type for scanning is PDF, which is supported in Command WorkStation. If a job is scanned in a format that is not supported in Command WorkStation, it is still possible to print the file using the Fiery E 10 printer driver or third party application printer driver. The copier also supports producing multiple page files or single page files for all file formats supported, except for JPEG, which supports only single page files. To scan a multiple-page job in JPEG format, you must scan each page separately. Setting up User Boxes on the copier The procedures for setting up User Boxes on the copier are described in the User s Guide [Box Operations] manual that accompanies your copier.
8 Page 8 Initiating scans at the copier The following procedure provides an overview of scanning to a User Box. See the User s Guide [Box Operations] manual for detailed instructions. TO SCAN A DOCUMENT TO A USER BOX 1 If user authentication is enabled, enter the user name and password. Ask your system administrator for the log in information. 2 Press Fax/Scan on the copier touch panel. 3 Press Direct Input. 4 Press User Box. 5 Enter the document name. 6 Select a User Box. You can also create a User Box by entering a User Box number. 7 Specify scan settings, as required. 8 Press Start. Retrieving scans with Fiery utilities About Fiery Bridge Fiery Bridge allows you to access scanned documents in your copier User Boxes directly from a client Windows computer. Fiery Bridge makes the User Boxes accessible as if they were a standard network drive, allowing you to browse their contents using Windows. You can open a scanned document from an appropriate application on your computer, just as you would open any file on your computer. Configuring Fiery Bridge To use Fiery Bridge, you must configure the connection to the copier by completing the following tasks: Specify one or more copiers that you want to access. Configure settings for each copier. For information about configuring settings for Fiery Bridge, see Fiery Bridge Help. The following sections describe configuring the connection to a copier, and using Fiery Bridge.
9 Page 9 Adding a copier When you start Fiery Bridge for the first time, the list of printers is empty. You must locate the printers on the network and add them. TO START FIERY BRIDGE Choose Start > All Programs > Fiery > Fiery Bridge or double-click the Fiery Bridge shortcut on your desktop. TO ADD A COPIER TO FIERY BRIDGE 1 Click Add Server. 2 If the copier that you want to add appears in the list of available printers, select it and click OK. Otherwise, select Enter printer name or IP address, type the DNS name or IP address of the Fiery E 10, and then click OK. The copier is located on the network and added to the list of servers. Using Fiery Bridge When you install Fiery Bridge, a Fiery icon is added to the My Computer window on your desktop. When you add a copier to Fiery Bridge, a folder for that copier is added under the Fiery icon. The folder for the copier in turn contains folders for each of the types of User Boxes available on the copier: Public, Private/Personal, and Group. Each of these contain the folders for each User Box. The scanned documents appear as in the file format that has been set on the copier. However, these files are not actually on your computer. By default, a scanned document is not transferred to your computer until you access it by opening it in an application on your computer or by copying it to your computer. You cannot save a scanned document back to the copier box. You must save it as a new document on your computer. The scanned document on the copier remains unchanged. You can access scanned documents by browsing from the desktop, from within an application, or from the Fiery Bridge main window.
10 Page 10 TO START FIERY BRIDGE Choose Start > All Programs > Fiery > Fiery Bridge or double-click the Fiery Bridge shortcut on your desktop. Complete instructions on how to use the standard Fiery Bridge features are provided in Fiery Bridge Help. TO ACCESS FIERY BRIDGE HELP 1 Start Fiery Bridge. 2 Choose Help > Help. TO ACCESS A SCANNED DOCUMENT FROM YOUR DESKTOP OR FROM AN APPLICATION 1 From your desktop, open My Computer. From an application, choose File > Open and browse to My Computer. 2 Under My Computer, open the Fiery icon. 3 Under the Fiery icon, open the folder that has the same name as the copier containing the scanned document. 4 If you are prompted for a user name and password, type them, and then click Login. NOTE: The user name and password is required if user authentication has been enabled on the copier. Ask your system administrator for the log in information for the copier. 5 Open the Public, Private, or Group folder, and navigate to the User Box folder containing the document that you scanned. NOTE: The format should be a mailbox number, followed by a space, and then the mailbox name, as in 3 Sales. If you assign a mailbox number, but not a name, the copier assigns a mailbox name that is a 9-digit number, which includes the mailbox number. For example, if at the copier, you assign a mailbox number, 77777, the mailbox number-name combination should be Open the folder. 7 Enter the password for the User Box and click Login. 8 If you are browsing from your desktop, double-click a document to open it in its default application, or select a document and copy it to another folder. If you are browsing from an application, select the document and click Open. A document is not transferred to your computer until you open it, copy it, or export it.
11 Page 11 TO ACCESS A SCANNED DOCUMENT FROM THE FIERY BRIDGE MAIN WINDOW 1 In the Fiery Bridge main window, double-click the copier that you want to access. 2 If you are prompted for a user name and password, type them, and then click Login. NOTE: The user name and password is required if user authentication has been enabled on the copier. Ask your system administrator for the log in information for the copier. 3 Open the Public, Private, or Group folder, and navigate to the User Box folder containing the document that you scanned. NOTE: The format should be a mailbox number, followed by a space, and then the mailbox name, as in 3 Sales. If you assign a mailbox a number, but not a name, the copier assigns a mailbox name that is a 9-digit number, which includes the mailbox number. For example, if at the copier, you assign a mailbox number, 77777, the mailbox number-name combination should be Open the folder. 5 Enter the password for the User Box and click Login. A document is not transferred to your computer until you open it, copy it, or export it. The folder for the Fiery E 10 that contains the scanned documents is opened in Windows Explorer. 6 Right-click the scan you want to access and choose from Open, Copy, or Export. Open opens the file on your computer and you can use Save As to save it with a different name and to a different location. Copy enables you to copy the file and then paste it in another location on your computer. Export allows you to export the file in any of the six file formats that the copier supports, and the file can then be opened by a third party application. For additional information about using Fiery Bridge, see Fiery Bridge Help. About Fiery Remote Scan With the Remote Scan application and Remote Scan TWAIN plug-in module, you can retrieve scan files remotely through the network by accessing a User Box, which is set up at the copier control panel and resides on the copier hard disk. When you have retrieved the scanned document from the User Box, you can open the scan file in a host application, such as Photoshop, and send it to the Fiery E 10 Hold queue, an address, an FTP server, or save it to the network.
12 Page 12 Configuring Fiery Remote Scan The first time you start Fiery Remote Scan, you must configure the connection to the copier. Before you configure the connection, you must have the correct IP address. Ask your system administrator for the IP address and login information. When you open Remote Scan, the Scan Configuration dialog box appears. For instructions on configuring the connection to the copier for the first time, see the following procedure. For complete instructions on configuring and modifying the connection to the copier, see Remote Scan Help. If you previously configured a connection to the copier, it appears in the main Fiery Remote Scan window, and you can immediately initiate a scan, retrieve scans initiated at the copier touch panel, and use Fiery Remote Scan Help. TO CONFIGURE THE CONNECTION TO THE FIERY E 10 1 When you start Remote Scan the first time, the Configuration window appears. In the Server Name or IP Address fields, type the DNS name or IP address of the copier. 2 Select Use Nickname to enter another name to distinguish the copier. 3 Type the name of the device connected to the copier. You can specify any name for the device name, but the field must be populated. 4 Click the green arrow to add the copier to My Fiery List. 5 Click OK. TO ACCESS REMOTE SCAN HELP 1 Start Remote Scan or open the Remote Scan plug-in module. 2 Click Help. 3 Use the Contents, Index, or Search panes to navigate to the Remote Scan Help topics.
13 Page 13 Using Fiery Remote Scan Once you have configured the connection to the copier, and have scanned a document to a User Box on the copier, you can retrieve the scan using Fiery Remote Scan. TO RETRIEVE A SCANNED FILE 1 Start the Remote Scan application, or open the TWAIN compliant application, such as Photoshop or Acrobat. 2 If you opened the TWAIN compliant application, choose Import from the File menu and then choose Fiery Remote Scan as the scan device. 3 Select the copier in the Configuration dialog box, and click OK. NOTE: To access scans from User Boxes on the copier, click the Retrieve tab in the Fiery Remote Scan window. To initiate scans on the copier and send by Internet Fax, click the Initiate tab and follow the procedures described in Fiery Remote Scan Help. 4 Click OK to login. If LDAP authentication has been enabled on the copier, login requires the domain name to be included as part of the user name, as in: efi\user. 5 Click Change Mailbox. 6 Enter the mailbox number and name, and the password. If you enter a box number that is correct and a correct password, but enter an incorrect box name, you are allowed to log in, but will not be able to access the scanned files. For example, if the existing mailbox name is 12 abc, and you enter 12 abcd, with the correct password, login is permitted, but you cannot access the files in box 12 abc. NOTE: The format should be a mailbox number, followed by a space, and then the mailbox name, as in 3 Sales. If you assign a mailbox a number, but not a name, the copier assigns a mailbox name that is a 9-digit number, which includes the mailbox number. For example, if at the copier, you assign a mailbox number, 77777, the mailbox number-name combination should be A list of scan jobs appears. 7 Select if you want to Acquire or Send the scan. If you retrieved the scan using the Remote Scan TWAIN plug-in, and you want to acquire the scan job, click Acquire. If you retrieved the scan using the Remote Scan application, and you want to send the scan job to a destination, see Fiery Remote Scan Help. NOTE: A multiple-page JPEG file cannot be sent to FTP or . You must scan and send each page separately.
14 Page 14 About WebTools WebTools allow you to manage your Fiery E 10 remotely from the Internet or your company s intranet. The Fiery E 10 has its own home page, where you can select the following WebTools: Home provides current information on the jobs processing and printing on the Fiery E 10. Downloads allows remote users to download installers (for drivers, PPDs, and other software) directly from the Fiery E 10. Docs allows remote users to access jobs on the Fiery E 10 over the Internet or intranet. Configure allows the Fiery E 10 administrator to view and modify Setup options remotely from a Windows computer. Mailbox allows remote users to access jobs on the copier over the Internet or intranet. You can also create, edit, and delete User Boxes on the copier. Setting up WebTools WebTools are accessed through the home page of the Fiery E 10 web site and do not require special installation. However, WebTools do require initial Setup by the Fiery E 10 administrator. To enable network users to access and use WebTools, the administrator must set specific options in Network Setup and Printer Setup. For information about these specific Setup options, see the set of user documentation on the User Documentation CD. Using WebTools to access scans Use your Internet browser to access WebTools. 1 Start your Internet browser. 2 Type the IP address or DNS name of the copier. 3 Click the Mailbox tab. 4 Choose whether to log in to the Public boxes or as Administrator. If LDAP has been enabled on the copier, your user name would consist of domain name\user name. When you have logged in, you can choose to edit and delete existing mailboxes and also create new mailboxes. 5 Click the mailbox number-name link to open it. 6 Click Download if you wish to download the file to your computer. You can choose the file format for downloading the file.
15 Page 15 Managing User boxes on WebTools When account tracking is enabled on the copier. user authentication disabled, and the user logs in to WebTools as the Administrator, Group boxes are not available for editing or deleting by the Administrator. To edit or delete boxes in this instance, you must access the copier web page, or perform these functions at the copier touch panel. Also, use the copier web page if you cannot create, edit, or delete mailboxes in other cases. Known issues in this release Note the following issues: Fiery Bridge mailbox synchronization When you use Fiery Bridge, be sure to log out, and then log in again if you want to check for any changes to mailboxes at the copier. The Fiery Bridge connection is cached on the user s computer and it does not synchronize with a new user box creation until you are logged out. Retrieving large jobs from a mailbox in Fiery Remote Scan Save a scan job to your local hard drive first and then send to FTP using a third-party application. Sending a multiple-page file in JPEG When sending a multiple-page file in JPEG format to FTP or , scan and send each page separately. Incorrect mailbox names in Fiery Remote Scan will not display an error message You must enter the correct mailbox number and mailbox name to access the Fiery Remote Scan mailbox. If you enter an incorrect mailbox name, the Fiery E 10 will allow you to login but will block access to the files in the box. If you enter an incorrect mailbox number, an error message is displayed. Sending black-and-white scans When you retrieve a black-and-white scan and send it as JPEG format, the scan is sent in grayscale mode. Incorrect login It is possible to log in to Fiery Remote Scan with a non-registered Box Name.
16 Page 16 Scanning mixed paper sizes When scanning a mixed-paper-size job, use the Fiery Remote Scan application and save the scan as TIFF or JPEG. Then open the scan in the desired application. If you attempt to scan the job using the Fiery Remote Scan Twain plug-in, the pages will not scan correctly. User information not saved When the Save User Information box is selected in the login dialog, the information is not saved. Mailboxes in Fiery Bridge The list of mailboxes in Fiery Bridge is not sorted alphanumerically, so you may have to review the entire list to find your mailbox. Account Tracking login When Account Tracking (Password Only) is enabled on the copier, the User Name will not be displayed when you are logged into Fiery Remote Scan or WebTools Mailbox. Edit/Delete buttons missing In WebTools, when Account Tracking is enabled at the copier, and you log into the account, Edit/Delete buttons are not displayed for Group Boxes. Using Acrobat 9 Pro with Fiery Remote Scan When you use Acrobat 9 Pro with the Fiery Remote Scan Twain plug-in, Fiery Remote Scan does not open automatically. To use Acrobat 9 Pro, use the following procedure to set the user interface to show the scanner s native interface: TO USE ACROBAT 9 WITH FIERY REMOTE SCAN 1 Open Acrobat 9 Pro. 2 Choose File > Create PDF > From Scanner > Custom Scan. 3 Select the Options for the scanner in the Custom Scan window. 4 For the User Interface field, select Show Scanner s Native Interface. 5 Click OK.
17 Page 17 Selecting a domain/server If user authentication on multiple domains has been enabled on the copier, the login dialog box displays the first domain by default. To select your domain, click the arrow to display the full list of domains. Copier in Administrator mode When the copier is in Administrator mode, if a user logs in to WebTools Mailbox as an Administrator, the message Login failed, try again is displayed even though the correct administrator password has been entered. Wait until the copier exits from Administrator mode or the user completes administrator settings.
