4 1 SalonVision Online Booking Configurations Introduction This guide will review the setup and preparation of your Envision Database and SalonVision settings to ensure seamless integration for SalonVision users. This guide will provide an overview of the following: oconfiguring your Envision Program Preferences. oconfiguring Employees Profiles and Services. oreviewing the key settings in SalonVision. ovarious configurations of online bookings. orecommended website content edits. ofacebook and Existing website integration. ohow to handle client account registration. omydash settings and features. ohow clients will interact with various options configured.

5 Introduction 2 Envision Setup Setup Program Preferences In your Program Preferences we recommend you review and implement certain options for live data access integration with SalonVision. 1. Click on "Company" on the Menu Bar of Envision 2. Select "Setup Program Preferences" from the menu and wait for the window to open. 3. Check the following: Company Options Verify the correct business address, phone, and address information is entered here as this information will be uploaded to your SalonVision web page. Calendar Options It is recommended to disable the Disregard Qualified Services setting in the Calendar Options so that SalonVision will obey the qualified service list that is set for each employee. Uncheck the option as seen here: 4. Click the button Save to save the settings.

6 3 SalonVision Online Booking Configurations Service List In this section you will verify that your services are all assigned to a department, that there are descriptions entered on each service, and that the pricing and timing is correct. You'll also be shown how to disable services from SalonVision if you have services that you do not wish to allow for online booking. 1. To review and edit services, open the "Services list" By selecting it from the "Inventory" menu drop down. 2. Double click the service record you wish to modify. A screen that is similar to the image below will open. The following will provide details about the key areas to focus on the Service Edit screens when configuring services for online booking. Department If you have not set up departments for your services, go to the Inventory drop-down menu at the top of the program and choose Inventory Departments. You will be able to enter a new department by clicking the add line on this screen. Your services will be displayed on SalonVision categorized by the departments that you have created. Description The name entered here will be displayed on the Service List on your SalonVision page and also on your receipts. Enter the plain language description of your service that is easily understood by clients.

7 Envision Setup 4 Price Verify the pricing in the "Service Pricing Table" is correct. Enter the price you charge for a service into the "Level 1" field if you do not have different levels of pricing based on experience. The ten levels provided are only used for businesses that have different levels of pricing based on experience. SalonVision will display the price entered into "Level 1" as the starting price. Scheduling Options Services require more or less time depending on the client and provider. We suggest any service you enable for online booking have the scheduling options set to allow for the maximum time needed for any client or service provider. You can edit the service timing by selecting the "Scheduling Options" tab. Service Time Options The three items in this area are the default times that you will setup for this service. This is the time that will be used if you do not have specific times setup for each employee under their Qualified Services list in the Employee List. Initial time for Service All service items need a time filled in to this field. It is the best estimate of the time it takes to perform the service. Use 15-minute increments only. For example, 1 hour would be entered as 01:00, or 30 minutes would be entered as 00:30. For most service items this is the only time needed. For a chemical service, this would be the amount of time that it takes to apply the color or chemical to the hair. Process Enter a time (once again 15 minute increments only) here if a delay is required during this service. For example, this would be necessary you apply color and must wait 30 minutes for processing time before you wash, rinse, and style. Entering a time here will allow you to schedule another service with a different client during this time. This allows you to maximize the use of the service provider's time. If you enter a time here, you must enter a "Completion Time". Completion Time Enter a time here only if you entered a "Process" time above. This is the time it takes to finish the service after the delay/process. Use 15-minute increments only. Disable Service For Online Booking There may be certain services that you do not wish clients to be able to book themselves online. The reasons may vary, perhaps a prior consultation is required or it is an add-on service that is offered during the time of appointment. If needed, you can choose which services are available for under the "Scheduling Options" tab. Uncheck "Enable Service For Online Booking" if you wish to disable a service from display for client Booking Online. 3. When you have finished making changes to a Service record, select the "Save" button.

8 5 SalonVision Online Booking Configurations Employee Profiles SalonVision will display employees for selection when clients book online. You will also have the option of displaying an online profile of your staff members that your clients can review. 1. To configure your employees for online booking, select the "Employee List" from the "Employee" menu drop down. 2. Select an employee record and click the "Edit" button. The following details the areas of focus for the Employee Edit screens when configuring services for online booking. Enabling Employees for Online Booking Found in the "Other" tab is the check box option labeled "Allow Access to Internet Site". If enabled, this will display the employee as an available selection for online booking Qualified Services For Pro users and above, we recommend establishing Qualified Services for employees so that clients will not mistakenly book an employee for a service they are not qualified to perform. By selecting the "Qualified Services" tab, You can add the services that the selected employee is capable of performing into this list via the "Add Item" button. Employee Biography Salon Vision provides the option of displaying an Employee Biography online with live data access. To upload a biography of the employee, select the "Employee Notes and Bio" tab. Enter the desired text into the "Employee Biography" field. 3. When you have finished making changes to a Employee Record, select the "Save" button.

9 Envision Setup Salonvision Setup SalonVision gives you a variety of settings for booking and purchasing that allow you to customize how you want certain features to perform. Log into the Site Administration Panel to review the website settings. Acquiring Admin Login: If you do not have the login and password to access your SalonVision Site Administration Panel, please visit to request your information. 6

10 7 SalonVision Online Booking Configurations General Website Settings Website Settings is the main control panel for the Salonvision website. From here, you can manage your content and how it displays. The Booking tab displays when first logging into the site as the administrator or selecting the website settings button. Booking Tab On the booking tab, click to enable your desired options and enter your booking limitations. This screen will be different based on whether you do or do not have live data access. Online Booking Screen with Live Data Access Options Available With Live Data Access Enable live data access Choose this option to allow the transfer of information to your Envision program in real-time. Enable advanced online booking window? Enabling this option will give clients enhanced booking screens. This is a more visual representation for booking.

11 Salonvision Setup 8 Hide pricing and service time from booking page Selecting this option will remove the service price and time from the booking page. Disable Online Booking Selecting this option will not allow appointments to be booked or requested online. Turn OFF live booking (NOT recommended) Checking this box will allow appointment booking for any time or day whether the business or requested employee is available or not. It is not recommended to select this option. Only allow booking on the hour Choosing this option will only allow appointments to be booked on the whole hour (9:00, 12:00, etc.) Prompt to confirm before booking Check this option to pop up a confirmation window for clients booking appointments online. Lead time before appointment allowed to be booked Enter the number of hours after which clients may choose booking options. For example if 24 is entered into the field, then clients must choose appointment times that are 24 hours in advance of the time they are submitting the booking. If left at 0, there will be no lead time. Days to add to the default appointment start date Enter the number of days ahead that you would like clients to start on in the calendar they begin to book. The means that if you enter 2 days, a clients start date will begin 2 days ahead of the current date. For example, if the today were May 1st then the calendar would start the client on May 3rd. Maximum number of alternate appointments shown Enter the number of alternate appointments to be displayed if the requested time is not available. The number entered here will limit how many alternative appointment times will be displayed. If left at 0, the list will not be limited. Maximum online appointments allowed daily per client Enter the number of appointments a client is allowed to book online in one day. Clients will only be allowed to book appointments up to the number that is entered into this field during today s date. Once today s date changes, their allotment will be reset. If left at 0, there will be no limit set.

12 9 SalonVision Online Booking Configurations Online Booking Screen without Live Data Access Options Available Without Live Data Access Use employee qualified services (setup qualified services prior to checking this option) Once your qualified services list is complete, select this box to enable. Disable validation on new client registration Selecting this option will allow new clients to begin booking appointments and purchasing gift certificates online without confirming their address with a verification . Use Custom Appointment Not Available Text Choose this option if you wish to have custom text display when a requested appointment day or time is unavailable. Disable Online Booking Selecting this option will not allow appointments to be booked or requested online. Prompt to confirm before booking Check this option to pop up a confirmation window for clients booking appointments online.

14 11 SalonVision Online Booking Configurations Gift Tab On the Gift tab, you may enter your gift certificate limitations and rewards. Use gift certificate popup window instead of inline Select this option to pop open a new window for clients when purchasing gift certificates. Disallow American Express cards Select this box if you do not wish to accept American Express cards as a payment method. Months before gift certificates expire Enter the number of months for gift certificate expiration. Please refer to your local laws concerning gift certificate expiration. If left at 0, the gift certificates will not expire. Min Gift Value Enter a minimum value allowed for online gift certificate purchases. Max Gift Value Enter a maximum value allowed for online gift certificate purchases.

15 Salonvision Setup Gift Card Specials Sale Start / End Date Enter the dates that the gift certificate sale or promotion is good for. Bonus Option Select the bonus option for rewards. o Get a bonus if you spend over a certain dollar amount. o Get a bonus for every dollar amount spent. Money Awarded Enter the reward amount. Money Spent Enter the amount that clients must spend in order to receive the award amount. 12

16 13 SalonVision Online Booking Configurations General Options On the General Options tab, you may set options for your clients to register on the Salonvision website. You may also adjust notification options for both the business and clients. Registration Options Allow New Client Registration When enabled, anyone is allowed to register an account even if they have never visited your business before. This will create a new client profile within the Envision database if you have live data access. This can result in duplicate client records. Only require minimal fields on new client registration If enabled, only minimal information is required when a new client account is created: FIRST NAME LAST NAME ADDRESS When disabled, the new client registration requires further information for sign up: FIRST NAME LAST NAME STREET ADDRESS ADDRESS CONTACT PHONE NUMBER Require Home Phone This will require a Home phone number to be entered to create an account. Require Mobile Phone This will requires a Mobile phone number to be entered to create an account.

17 Salonvision Setup 14 Notification Options Owners Address (for monthly reporting) A report (under Site Reporting to the left side of the screen) can also be ed to you monthly. Enter the address you wish for this report to be delivered. Send notification of new appointments to your company address Select this option to send an to the company address (as entered within the Envision program) to notify you of new appointment bookings. Send notification of new appointments to the service provider Select this option to send an to the service provider's address (as entered within the Envision program) to notify them of new appointment bookings. Use alternate company name on s Select this option and enter the alternate company name if you wish to show something other than the company name as entered within the Envision program. Send from alternate address Select this option and enter the alternate address if you wish the s to the business and clients to be other than the company as entered within the Envision program.

18 15 SalonVision Online Booking Configurations If you have multiple locations in Envision, you will see several location options at the bottom of this screen. Multiple Location Options Force a specific location Checking this box will show only the selected location's information. Disallow online booking at these locations Select a box to disable online booking for that location. Display Options The Display Options tab allows for customization of the default Salonvision pages. Select the items from this screen to hide specific sections of the site.

19 Salonvision Setup 16 Third Party Integration Set up the Third Party Integration tab by selecting your preferred settings. (iframe) Home page link after registration Enter a webpage address here to route all newly registered clients to a specific page on your existing website. Social Networks Disregard these features if you are not using SalonVision as your business main web page. If a field is left blank in this section, the corresponding icon will be hidden from display. Link to Facebook Page Enter the URL to your company Facebook page. This will show a Facebook icon on the site. Link to Twitter Page Enter the URL to your company Twitter Feed. This will show a Twitter icon on the site. Link to Pinterest Page Enter the URL to your company Pinterest Board. This will show a Pinterest icon on the site.

20 17 SalonVision Online Booking Configurations Meta Information Meta Keywords Enter here any keywords that you would like potential clients to find you when searching with these terms. Meta Description Enter a description to show in Google search results instead of your front page content.

21 Salonvision Setup Website Template Select from this page if you want to use a fixed or responsive (adjustable in size) template. Select from this page the template or layout that you wish to use for the Salonvision web site. Once selected, choose the Use Selected Template button. The options available will differ between responsive and fixed templates. 18

22 19 SalonVision Online Booking Configurations Website Content Website Content allows you to edit the text that appears on the various pages and text of SalonVision. To modify the content of a page, choose a page from the drop-down menu and modify the text that appears. Once you have finished, press the 'Save' button to update the page. We suggest reviewing each page and making any modifications you desire. These are the Salonvision default pages. Welcome Page Specials Contact Us Page Services Page Login Page Latest News Section - Displays on the home page. Displays on the specials page. Displays above the hours of operation. Displays above the list of services (with live data access). Displays on the login page. Displays on all pages as a small section to the side. Appointment Footer Text entered here will show at the bottom of all appointment s sent to clients. Enhanced Appointment Screen Displays at the top of the booking window. (Requires that enhanced booking window be selected.) Enhanced Appointment Complete Displays when the appointment has been booked. (Requires that enhanced booking window be selected.) Appointment Screen Displays at the top of the booking window.

23 Salonvision Setup 20 Website Content - Continued Appointment Confirmation Window Displays when the appointment has been booked. New Client Registration Message Displays when a client has selected to perform an action that requires login. (We recommend adding text to instruct existing clients to select the "Forgot Password" option to activate their accounts.) Credit Card Custom Message Displays just below the credit card information when purchasing a gift certificate. Custom Referral Text Text entered here will send as the referral to potential clients as entered on the Referral page. Referral Screen Text Displays on the referral page. Appointment Not Available Text This is what clients see when attempting to book an unavailable time or day. Custom 'Data Offline' Text Displays if the live data access loses connection. Enhanced Booking Not Available Text This is what clients see when attempting to book an unavailable time or day. (Requires that enhanced booking window be selected.) Enhanced Booking Page Lower Text Displays if the live data access loses connection. (Requires that enhanced booking window be selected.)

24 21 SalonVision Online Booking Configurations Facebook Instructions You can integrate online appointment booking directly into your Facebook business page. This will allow clients to book appointments directly from Facebook. To set up the integration, follow the steps that are displayed on this tab in your admin panel. iframe (for existing websites) If you have an existing website and don't want to replace that website with the SalonVision website, you can integrate the SalonVision appointment booking directly into your website with an iframe. Take the iframe code, and add it to your website's HTML. If you are using SalonVision as your main website then you will not need to do this. WARNING: Do not use the iframe code shown below. This code WILL NOT link with your SalonVision account and is for example purposes ONLY. Visit your SalonVision admin panel for your correct iframe code. Example iframe Booking Code: <iframe src=" AppointmentSearchFBTab.aspx?backcolor=FFFFFF" scrolling="no" width="600px" height="900px" frameborder="0"></iframe> Themes Themes will allow customization for select templates. These options are not available for all templates, and the available options will vary between responsive and fixed-width templates.

25 Salonvision Setup Edit Graphics Selecting Edit Graphics will allow you to change the images displayed on the Salonvision site. Header Image The header image is the main visual field for the Salonvision website. You can select an existing image or choose to upload a custom image. To upload a custom image, select the radio button to the left of the custom or blank image at the top of the list and choose to upload a custom image. Any image uploaded must be a.jpg,.jpeg,.png,.gif or.bmp file type. The maximum allowed size is 2MB. Select the image and save. 22

26 23 SalonVision Online Booking Configurations Company Logo You may upload your company logo using this screen. The location where the logo will show depends on the template selected, and the logo will not show if "Hide Your Company Logo" is selected. Upload a new logo: 1. Click the Select button. 2. Navigate to the logo image and click Open. 3. Click Upload New Logo button. Background Texture A background texture can add dimension to a fixed-width Salonvision website. Click the box to enable background texture and choose the texture you wish to apply. Once completed, click the button to save the background selection.

27 Salonvision Setup 24 Manage Custom Pages Salonvision allows you to create your own pages on the website. These pages can be for anything you'd like to include as part of your site. Add New Page Select to add a new custom page, enter a page name and title, and create the page. When done, select to save.

28 25 SalonVision Online Booking Configurations Manage Menus You can create menus, rearrange existing and add new pages easily with the Manage Menus page in Salonvision.

29 Salonvision Setup Menu Items Select to add a new menu item at the bottom of the page. Enter the menu item name to the right, and choose if you want the menu item to use a default page, a custom page or an external URL. If you select to create a custom page, Salonvision will open a prompt to take you to create a custom page. 26

30 27 SalonVision Online Booking Configurations Once the menu item is created, you can move the item anywhere you want in the list by clicking once to highlight the item, then dragging and dropping the item. A line shown before dropping will add the item where the line is. If another item is highlighted before dropping, the item will be added as a selection within the highlighted option. Menu items may be removed by clicking once to select the item, then clicking the Remove This Menu Item button.

31 Salonvision Setup Gift Certificates Gift certificates sold through Salonvision will show in this list. If you have live data access, these certificates will populate into the Envision program for you. If you do not have live data access, you will need to enter these certificates into the program. Gift Cert Terms Text entered here will show below the default terms and conditions displayed when selected to be viewed during the gift certificate purchase. 28

32 29 SalonVision Online Booking Configurations Edit Employee Images Employee images may be added on this screen. To add an employee image, select the employee from the drop down list and choose to upload an image. Any image uploaded must be a.jpg,.jpeg,.png,.gif or.bmp file type. The maximum allowed size is 1MB. Select the image and click to upload. Employee images uploaded here are used for the enhanced booking screen when selecting the provider as well as the employee biography page on the Salonvision site. Employee Biographies From SalonVision Staff Page

33 Salonvision Setup 30 Edit Website Data You will see these options available if you do not have live data access, or do not have live data access enabled. Service Categories Without live data access, you will need to input categories, or logical groups for your services. To add a new category, select the Add new record option at the top of the list. To edit a category, select the small pencil to the left of the name. Services Without live data access, you will need to input any services that can be booked online. Once the service categories are created, you will need to create the service that are allowed to be booked online. Choose the Services button at the top of the screen, and select to Add new record at the top of the list. Input the service name and choose the category from the drop down selection box. Enter the starting service price and select to update. For seasonal services, or ones that are not offered all the time, you may uncheck the Display in Service List check box to hide the service from booking. Any of the items in this list may be edited by selecting the pencil icon to the left of the item record..

34 31 SalonVision Online Booking Configurations Employees Without live data access, you will need to input any employees who can be booked online. Choose the Employees button at the top of the screen, and click to Add Employee at the bottom of the list. Input the employee name and bio, and you may optionally add a photo. To add an employee image, choose the Upload Photo button. Any image uploaded must be a.jpg,.jpeg,.png,.gif or.bmp file type. The maximum allowed size is 1MB. Select the image and click to upload.

35 Salonvision Setup 32 Company Information Without live data access, you will need to input your company information on this screen. Qualified Services Without live data access, you will need to input the services that the employees are allowed to perform. Select to Add new record at the top of the list, and select the employee and service from the drop down selection boxes. When complete, choose to Insert. Any of the items in this list may be edited by selecting the pencil icon to the left of the item record.

36 33 SalonVision Online Booking Configurations Photo Gallery The Photo Gallery allows you to showcase images of or about your business. Any image uploaded must be a.jpg,.jpeg,.png or.gif file type. The maximum allowed size is 140kb. Select the image and click to upload. Once a photo is uploaded, you can access the image by choosing the Manage Photos button at the top of the screen. Images in the gallery are displayed in upload order.

37 Salonvision Setup 34 View Client List This screen will be visible and used if you do not have live data access. Clients who register online will show in this list. You may choose to export the list to Excel or PDF format with the bottuns at the bottom of the list. Manage Client Reviews The Manage Client Reviews page will allow for viewing reviews entered in Salonvision. The section to the top of the screen will show your average rating, and the breakdown of ratings given. The lower section of the screen will show the individual reviews left. You can optionally rotate the reviews shown with the Hide option in the upper right of each review.

39 Salonvision Setup MyDash Settings MyDash is a mobile app that the business's clients can use to connect to the business from their iphone, ipad or Android device. MyDash is an optional subscription service. For questions or to enroll, please contact the Sales Department at Mobile Settings With MyDash, you can adjust the experience for your ios and Android clients. Enable online booking or an request system, allow cancellations right from the app, and reward clients with loyalty points for actions they perform. You can have a custom image display in the app by selecting and uploading one on this screen. 36

40 37 SalonVision Online Booking Configurations Mobile Popup You can offer a popup message when clients first access the MyDash app, offering a special on goods or services. You may also use this to alert clients to special events or business news. Mobile Specials Create custom specials for your app clients and feature them here.

41 Salonvision Setup 38 Beacon Setup Estimote Beacons and Stickers are small wireless sensors that you can attach to any location or object. They broadcast tiny radio signals which your smartphone can receive and interpret, unlocking micro-location and contextual awareness. Beacons must be purchased from Estimote and some configuration is required with the Estimote app after purchase. To configure devices, please follow the steps below: 1. Download or Install the Estimote app to your smartphone. 2. Select "Devices". This will locate beacons near your smartphone. 3. Tap once over a beacon indicator to view details. The information on this screen will be used in the MyDash Beacon screen.

42 39 SalonVision Online Booking Configurations MyDash works with beacons to allow clients to check in on your app and see specials or access information that you provide. This screen is used to add, edit and view your beacons. To add a new beacon, select the button to Add New Beacon. Add / Update Beacon Selecting to add or edit a beacon will open a screen that allows setup and customization of the beacon and beacon messages. Is Checkin Beacon? Check this box if this beacon will allow check-in by clients on the MyDash app. It is strongly recommended to only have a single beacon set to allow check-in. Selecting this option will pop open a message to clients with the app to use MyDash to check in. Short Description Enter an identifying description for the beacon.

43 Salonvision Setup 40 UUID Enter the beacon information as captured when setting up the beacon. The default number is in this field, and should only need to be updated if it was changed when setting up the beacon. Major # / Minor # Enter the beacon information as captured when setting up the beacon. Snooze Minutes Enter a number of minutes to delay a repeat display of the message entered below. Custom Message Enter the pop-up message to display on the client's app. More Info Page This is a full HTML page that will allow you to input images and text to provide more information about the pop-up message.

44 41 SalonVision Online Booking Configurations Site Reporting The Site Reporting page allows for a quick view of how the Salonvision site is making your business money. The default screen when opening is the current month and year, which may be changed by selecting the month to view from the drop down boxes and clicking the Refresh button. This is also the report sent to the Owner's Address once per month.

45 Salonvision Setup 42 Client Experience Client Registration When you are ready to announce your website you will be directing clients to your web page to create appointments. To book appointments, they will need an account. The following reviews how to manage New and Existing Client Registration. New Client SalonVision Registration With live data access, if a client registers on the website, the information is automatically added to the client list in Envision. If there is already a client in Envision without an address, it will create a duplicate client. These can be merged within Envision, however, be sure that the merged client information has the correct and password in the Restrictions tab. If you do not have live data access, clients who register and request an appointment will show in the client list. These clients will need to be entered into the Envision program. Existing Client SalonVision Registration Your existing clients will need an account activated with your SalonVision website in order to have the functions of online booking and purchasing a gift certificate. Clients can have their accounts activated directly from Envision or if they have an in the system already, directly from the SalonVision website. The follow steps provide the two methods that can be used to enable an existing client's account. Activate a Client from the Website Clients can activate their own account without registering as a new user directly from a SalonVision website using Live Data Access. For a client to activate their account they must have their in Envision Have the client go to the SalonVision Website or to your integrated existing web page. Click the "Forgot Password" link on the login panel. Enter their address into the appropriate field. This will find the in Envision, activate the client's online access, create a password, and the password to the client. 5. The client can now log into the website and change their password. Activate a Client from Envision Go to the Client List Double click on the Client Record. On the "Information" tab verify the correct address. A valid address is required. Click on the "Restrictions" tab. Check the "Enable Online Access" check box. Add their password. Save the record.

46 43 SalonVision Online Booking Configurations Request Booking With live data access disabled, the client requests an appointment on the website. This request is sent via to the business, where it may be acted upon. When the client logs into the website, they will be presented with a screen similar to the one shown below. It will be up to the business and staff to schedule the appointment in Envision and contact the client to confirm any appointment booked.

47 Client Experience 44 Online Booking Screen Without enhanced booking enabled, clients will login, choose the date, time service and provider they wish to have. The client will then choose from the available times and days, if the desired appointment date and time are unavailable. Once the client selects an available time slot, they will receive a confirmation message.

48 45 SalonVision Online Booking Configurations Enhanced Online Booking The enhanced online booking screens allow for a more visual booking experience. Clients will login and choose the date and the service they wish to have. The client will then choose their desired service provider.

49 Client Experience 46 Clients will select from the available times as shown for the requested day, provider and service. Clients may also change the date or provider in the top part of the booking screen. Once the time is selected, the client must confirm the appointment, and the appointment is entered. With live data access, the appointment will populate on your appointment calendar in Envision. This is shown on the calendar with a globe icon. An will be sent to the client from the Salonvision site, and optionally to the business and service provider.

50 47 SalonVision Online Booking Configurations MyDash App The client will need to download the MyDash app on their smartphone or smart device. When the client has the app, they can search for your business and log in with their client information. Once logged in, the app will show similar to below: From this screen, clients will be able to access the features that you have configured for your business's MyDash app. If you have configured a pop-up note for a beacon, it will show similar to below. If there is text or images in the "More Information" section, the client can open this by selecting that option.
