7 Introduction: Getting Started This introduction covers the following topics: About MassTransit: Using MassTransit What s in your package System requirements How to install MassTransit Starting MassTransit How to get help with MassTransit About MassTransit MassTransit lets you transfer files from one location to another with a simple drag and drop. It also enables remote printing or directs incoming files to services including applications, drop folders and scripts. MassTransit keeps a log of all events. MassTransit lets you web users URL-based links, which, when clicked, automate the authentication process and make it very simple for users to download files and folders sent to them through MassTransit. Active Directory features allow users to identify and send files to any user within their organization to whom they wish to send files, regardless as to whether or not they or the users to whom they wish to send files are configured already with MassTransit accounts. MassTransit has several Server versions. MassTransit Enterprise, a full version Server which allows file transfers with multiple Servers and Clients including Web clients. MassTransit Professional, a Server version which allows file transfers with multiple Servers and Clients. MassTransit Satellite Server, a Server version that can transfer files to one Enterprise or Professional Server. It is set up using a configuration file created by someone who has purchased a MassTransit Enterprise or Professional Server subject to available licenses. In addition, MassTransit supports Client versions. MassTransit Application Client, a version of MassTransit that allows the user to transfer and receive files from one MassTransit Enterprise or Professional Server. It has fewer automation features and is created by a Server subject to available licenses. MassTransit Web Client, available with the MassTransit Enterprise Server only. FTP hosts and WAM!NET remote users. The MassTransit Generic Client is a free version. This limited version of MassTransit is freely distributed and allows anyone to connect to a MassTransit Server. All files sent and received by Generic Clients are available to anyone with a Generic Client. This is similar to the anonymous login common on FTP servers. Note MassTransit 3.5 and earlier and Adobe Virtual Network are no longer supported in order to keep the MassTransit platform moving forward. Customers using these products must upgrade to MassTransit 3.6 or later to continue to transfer files with current MassTransit versions.

8 Getting Started 8 The MassTransit Enterprise or Professional Server allows you to transfer files to others. Send and receive files Specify whether one user can receive files from or send files to the other Specify whether a remote user can overwrite files of the same name on the receiving computer Transmit information about transferred files using an electronic job ticket Process files at the remote end automatically Carry out mailbox polling, automatic calling, actions, and services The MassTransit Server allows unlimited connections with other Enterprise or Professional Servers. MassTransit A MassTransit Enterprise or Professional Server can work with Satellite Servers and Application Clients associated with it and with FTP and WAM!NET clients. Enterprise Servers can also work with Web Clients. These versions can connect only to their own MassTransit Server. A MassTransit Satellite Server can work with one MassTransit Server. The Satellite has full communications, actions and services capabilities, and can allow others to send files to the Server using Hot Folders, and Print To folders. When working with an Enterprise Server, a Satellite Server can forward files to anyone in the Enterprise Server s Contact window. A MassTransit Application Client can work with one Server using TCP/IP. Automatic processing of files Remote users can print files on your printers using Output To or Print To folders. In addition to remote printing, others can send files from their computers to your system, where they can be automatically processed by various applications or directed to a printer, drop folder, or script. If the files are going to be printed at the receiving site, the sending Server should save the documents as PostScript files before transferring them. About job tickets Like the real-world paper version, the MassTransit job ticket provides a convenient and familiar way for users to communicate with service providers. The Job Ticket window gives users a place to enter name, address, shipping, and billing information, as well as instructions and details about the accompanying job. Users can manually create a job ticket for each file that will be transmitted. Instead of using the MassTransit job ticket, you can create your own with scripts. Security MassTransit has two types of security: using a secure protocol and using passwords. MassTransit offers a TCP/IP security option, TCP/IP Secure, which uses the Secure Sockets Layer (SSL) protocol to encrypt transferred data, maintain the integrity of data, and authenticate the calling parties. Authentication allows you to verify the identity of the caller to make sure you are sending to or receiving data from the right place. When MassTransit tries to establish a secure connection using SSL, each party provides the other with its certificate. Each party verifies that the other s certificate is valid and, if it is, proceeds with the connection. MassTransit contains password management features to improve its security compliance with some corporate policies. The MassTransit Enterprise server can be configured optionally to have web client passwords expire after a specific number of days and administrators can specify on a system-wide basis that users must change their password the first time they log into their account. Additionally, while logged into the web site web client users may change their password at any time. For security, MassTransit encrypts passwords before storing them. As a result, scripts can not access passwords. MassTransit Server Manual Page 8

9 Workflow features Getting Started 9 MassTransit has features that allow you to do multiple transfers at the same time, perform notification and action procedures, and keep a record of all transfers. You can set MassTransit to perform Actions when events occur during the transfer and processing of files. For example, you can notify yourself by or computer alert sounds, and send confirmation of processing to the sender, or perform other tasks using scripts. You can use scripts from the MassTransit web site or create your own. MassTransit keeps a log of all actions it performs. You can check the Log window to see if files were transferred or sent. The log lists errors that occurred so you can correct a problem. For example, if a remote user does not have enough disk space, the log gives the reason why a file is not transferred. You can reconnect and transfer the file again when more space is made available to receive the file. Also, you can create summary reports from the log. You can control the workflow process in other ways. For example, on the receiving Server side, service providers can monitor incoming files as they are processed as the user requested. For more control, the receiving Server can deny access to selected services including printers and applications for individual users and manually direct those customer files to a printer or application. As files accumulate for various tasks, the receiving Server can control the processing order by putting selected jobs on hold. Windows MassTransit administrators can monitor MassTransit servers using Perfmon or other WMI enabled monitoring tools. Key MassTransit data is exposed through performance counters available via these tools. For details on the available performance counters, please see the following KB article about Perfmon docid/340. Active Directory and Single sign-on You can set up MassTransit to authenticate application and web clients using Active Directory (AD) instead of assigning them a MassTransit login name and password. Web Clients can be created automatically and maintained based on groups defined in Active Directory. Privileges for file exchange between users can be based on existing AD groups. This ensures that users will have the broadest possible access to send files through MassTransit to other users in their organizations. For more information, see the following Knowledge Base article: You can set up MassTransit to use Single Sign-On (SSO) for Web clients for easier connections. MassTransit allows Active Directory users connected to an Active Directory-enabled MassTransit Enterprise Server to log into MassTransit automatically using their domain credentials, instead of having to type their name and password. This technology, known as Single Sign-On (SSO), works with popular browsers on Windows and Mac OS X when connecting to an IIS web server. For more information, see the Knowledge Base article Minimum requirements In order to use MassTransit, you need the correct resources. See the ReadMe file in the MassTransit installation directory for the latest requirements. MYSQL MassTransit uses the MySQL database engine for data storage. MySQL provides a high level of customization and integration and adds the ability to replicate databases for backup automatically. MassTransit information stored in MySQL includes Log, Contacts, and Files queued. In addition, the preferences settings listens, triggers, actions, services, etc. are stored in the MySQL database. 10 Installing MySQL Getting Started 10 Before installing MassTransit Enterprise and Professional versions, install the version of MySQL currently required by MassTransit; see the ReadMe in the MassTransit installation directory for current requirements. While installing MassTransit, you set up an account and password in MySQL. This information is stored in the MassTransit Engine.cfg file and allows MassTransit to access the MySQL MassTransit database. Your MassTransit license prohibits you from changing the MassTransit configurations or writing to the MassTransit databases. MassTransit supports MySQL 5.0 or later. For information about upgrading, see the Knowledge Base article com/knowledge/index.cfm/fuseaction/view_info/docid/276 MySQL Log Limits MassTransit Enterprise and Professional have no limit to the number of log and file entries. However, MassTransit Satellite Server, Application Client and Web Client software limit the number of log and file entries to 32,000 entries. Purging of file entries occurs daily. Users can configure a Before file entries are deleted action to archive information before purging. (See information about actions on page 88.) Installing MassTransit MassTransit Enterprise and Professional are provided with a split engine and user interface. MassTransit Professional uses the engine and the administrator on the same computer. The Satellite Server and Application clients have the engine and administrator combined in a single application. When remote administration is enabled on an Enterprise or Professional server, the MassTransit Administrator can connect to the MassTransit Engine from the local computer or a configurable number of remote computers. Access can be from Mac to Windows and Windows to Mac. The MassTransit Administrator can be installed on the same computer and a remote computer which can connect to the Server. Before you install MassTransit, make sure that you have installed any communications hardware necessary to transfer files to and from your users. In addition, you must have MySQL installed. MySQL must be running as a service on Windows. Install MassTransit and, lastly, install the USB hardware key if one was provided. For more detailed configuration documents, see To install the MassTransit software, follow these steps. 1. Double-click the MassTransit Installer icon. 2. Follow the on-screen instructions. The default features installed are the MassTransit Engine, the MassTransit Administrator and the Documentation but all of these features are optional. Note When using MassTransit Enterprise or Professional on a Windows computer, the MassTransit Engine runs as a Service. 3. Enter your customer information when asked. 4. When prompted, configure your MySQL settings and enable remote login. This is where you enable Remote Administration. 5. When installation is complete, click Finish to close the installer, or click Continue to install additional components. MassTransit Server Manual Page 10

11 Getting Started 11 Starting MassTransit After installing the MassTransit Engine and the MassTransit Administrator, you are ready to set up your server (Professional) or servers (Enterprise). 1. With the MassTransit Engine running, open the MassTransit Administrator. 2. On the Macintosh, from the File menu, choose Connect to Server or press Command O. For Windows, select the Edit Server List button. The MassTransit Server List appears. 3. Click Add to add a server. 4. To configure the local computer on which your MassTransit Engine is running, enter localhost for the Name and Address, then click OK. 5. If you are using MassTransit Enterprise, you can configure a local or remote computer on which your MassTransit Engine is running. Enter the Name of the remote computer and its IP Address, then, click OK. This requires that remote login be enabled. MassTransit Server Manual Page 11

12 Getting Started On the MassTransit Server List dialog, highlight the server you would like to use as the default when you start the MassTransit Administrator. It appears in the list in bold; when you start the Administrator, you are connected to that server to administer. Connecting to a server When you start the MassTransit Administrator, you connect to the default server you set up in the section above. If you are using MassTransit Enterprise and remote login is enabled, you can connect to a remote server. You can add and then connect to a server from the MassTransit Server window by highlighting the server and clicking Connect or you can use the MassTransit Servers window. 1. With the MassTransit Engine running, open the MassTransit Administrator. 2. Choose Connect to Server or press Command comma (Macintosh) or Control comma (Windows). The MassTransit Servers window appears. 3. Highlight the server you want to administer and click Connect. Remote Administration Password If you selected Enable Remote Administration when you installed MassTransit, you may change the password that remote servers must use. To edit a password, follow these steps. 1. When you are connected to a MassTransit Server from a local MassTransit Administrator, go to the Setup window and select the Special tab. The Administrator Settings section appears. 2. Click the Remote Administration Password button. MassTransit Server Manual Page 12

13 Getting Started Type a password that you want MassTransit Administrators to have to enter when they connect to the Server to administer it. The Current Connected Server You can get information about the server which you are currently connected to. 1. Choose Server Information from the File menu or press Command I (Macintosh) or Control I (Windows). The MassTransit Server Information dialog box appears. 2. To disconnect from the current server, choose Disconnect from Server on the File menu or press Command D (Macintosh) or Control D (Windows). 14 Chapter One: Adding Contacts Once you have set up the server or servers you plan to administer and connect to a server (see Getting Started on page 7), you can start administering that server. Before you can use MassTransit to transfer files, you must add a contact to the Contacts window and configure the communication method you plan to use when calling them. To receive calls, configure your available communication method; see Chapter Two Setting Up Communications. This chapter covers the following topics. Navigating around MassTransit Viewing your contacts Adding contacts Setting Access Privileges Setting up User Mailboxes Deleting a contact Navigating around MassTransit The quickest way to open a MassTransit window is with the Navigation Bar. This bar includes buttons that represent the windows and dialog boxes you use to set up and monitor file transfers. Click a button on the bar to jump to that window or dialog box. The Navigation Bar appears when you start MassTransit for the first time. If you close the Navigation Bar, you can reopen it from the Windows menu or press Command Ø (Macintosh) or Control 1 (Windows). Use the icons in the Navigation Bar to do the following tasks. Use Contacts to add, edit, and delete contacts with whom you want to connect and transfer files View the Status window to see what s happening in MassTransit if you are currently connected to others and receiving or transferring files, if you are waiting to receive calls, and if a file is being processed Use Files to see the files that are ready to be sent, files that you have already sent, and those that you have received, including those designated for automatic processing. You can target services and process received files Look at the log to see a list of all the actions MassTransit has taken; any problems are explained here Configure MassTransit to answer calls, choose services, and set up special features and notification with the Setup window MassTransit includes all the tools you need to maintain a list of Contacts. Store custom settings and privileges for each remote site in the Contact Window. As you add new contacts to your Contacts window, MassTransit automatically generates mailbox folders for each contact s incoming and outgoing files. Viewing your contacts In the Contacts window, you can add to your list of contacts, modify the privileges and communication method for each, delete former contacts from your system, manage the list of incoming and outgoing contact files, and manually connect to contacts.

15 Contents 15 The Contacts window not only shows a list of contacts, but also provides information on the number of files received from, sent to, or waiting to send to each contact, as well as the date and status of your last connection with each contact. In the Contacts window, you can do the following: (a) type the first few letters of a contact to go to that entry; (b) highlight a contact and click Connect to connect to that contact, (c) click Files to open the Files window for that entry, (d) click Reveal Mailbox to show the contact s mailbox in the Finder or Explorer, (e) click Check Mailbox to have the file list updated. While a name in your Contacts window is highlighted, information such as files received is not updated. Click Resume to update the information or close the Contacts window and reopen it. Sorting Click one of the following column heading to sort by that heading Name, Date, and Result. Click the column heading a second time to reverse the order. Licenses The number of licenses allocated to your server are displayed on the Contacts window in the upper left. In the Contacts window, you can add new contacts, or modify settings for existing contacts. MassTransit Enterprise or Professional Servers can connect to their associated Satellite Servers and Application Clients and to an unlimited number of other Servers either Enterprise or Professional. Enterprise Servers can connect to their own Web Clients. Adding contacts To add a contact to the Contacts window, follow these general steps. For specific steps for each type of entry, see the following sections. 1. In the Contacts window, click Add to add a new contact to the list. The General tab of the Contact Information dialog box appears. The Macintosh dialog box contains tabs for the information; the Windows dialog box displays all of the information together. On the Macintosh, you can select the Contact Information tab also. MassTransit Server Manual Page 15

16 Contacts Type the contacts s Name and Contact Information and choose the type of entry from the Entry Is menu. On the Macintosh, select the Name and Type and the Contact Information tabs of the General tab to enter the information. You cannot change the Type of contact once you have saved the contact. If you need to make a change, delete a contact and make a new entry. 3. To forward all received files to another contact, place a check in the checkbox Automatically Forward All Received Files. Choose the contact from the drop-down list. 4. If you want the contact entry to expire, place a check in the Contact Expires checkbox and specify the number of days the contact should persist. You can also set a default expiration in the Special tab of the Setup windows. 5. Set up a method for calling the contact. Also, indicate how to place automatic calls, if you wish. On the Macintosh, select the Outgoing Calls tab to enter the information. MassTransit lets you place multiple outgoing calls if your communication methods allow you to. See Chapter Two Setting Up Communications starting on page 34 for information on setting up MassTransit to place or receive calls. 6. Choose to use a default or custom mailbox. On the Macintosh, select the Mailbox tab to enter the information. See Mailboxes on page Check the General, and, when appropriate, FTP and Web privileges you want the contact to have. On the Macintosh, select the Security tab to enter the information. For information about General Privileges see page 29. FTP privileges for FTP contacts, see page 42. Web privileges for Web clients, see page Click OK to close the Contact Information dialog box. The contact is added to the Contacts window. Using Active directory You can set up MassTransit with a specific user name and password for each Application client and web client to use when connecting. Or you can use Active Directory. When you choose Active Directory, clients sign in using their domain user name and password and MassTransit authenticates them through Active Directory. In addition, you can configure Single Sign-On (SSO) for web clients. Then, instead of typing their domain user name and password, web clients can connect automatically if they re already authenticated to the domain. The server running the SSO-enabled MassTransit MTWeb components must be bound to the organization s Active Directory domain. This allows the web server (Microsoft Internet Information Services) to pass credentials received from the web browser to MassTransit and Active Directory for authentication. If the server is not bound, Single Sign-On cannot be enabled. Password Rules By default, MassTransit enforces the following rules to prevent web client users from using easily guessed passwords. Minimum length = 6 Contains at least one character from each of the following sets: English characters, numbers, and non alpha-numeric characters (!, $, #, %, etc.) º* Password does not match or contain the login name or the contact name. 17 Contacts 17 The rules apply when adding new Web Clients or Application Clients. For contacts already in the Contacts window, the rules apply when they or the administrator change their password. To encourage current Web Client contacts to update passwords to fit the new rules, follow this step. Go to the Setup dialog box, then to the Security tab. To require Web Clients to change their password after a set number of days, type the number of days you wish in the section Web login passwords are valid for x days. The rules you set apply to passwords that MassTransit is storing. For accounts linked to Active Directory, domain administrators have already set up certain password rules for Active Directory passwords. To disable the feature globally, edit the MassTransit.cfg file to change ENFORCE_PASSWORD_COMPLEXITY = TRUE to FALSE. In addition, make sure you remove the comment characters (%%) at the beginning of the line. The change takes effect when the MassTransit Engine is restarted. Adding Contacts from Active Directory You can add and remove MassTransit contacts and control their forwarding permissions using standard Active Directory (AD) tools without needing to be familiar with MassTransit s administrative interfaces. You can make MassTransit-enabling part of the standard process for normal account creation just as you set up new Exchange addresses. Permissions for sending files can be mapped directly to existing AD security models or groups. Master List When you are using AD with MassTransit, a new Group appears in AD called the MassTransit Master List. MassTransit periodically polls AD to determine the membership of this group and adds any user account in the Master List based on a predefined profile. When you remove a user from the Master List in AD, MassTransit removes the account from MassTransit as well (or configures it to expire within a specific time period). Accounts are added or removed automatically, with no administrative intervention needed on the MassTransit server. Distribution List Permissions on who can send files to whom are controlled using other AD groups called MassTransit Distribution Lists. A MassTransit user who is a member of a Distribution List can send files to other members of that group. Configuration of MassTransit distribution group membership is performed using standard AD tools. Groups on the Distribution List are identified with a distinctive naming convention, e.g., MT_MarketingTeam. Support for MassTransit Distribution Lists applies to users created manually in MassTransit when MassTransit is linked to Active Directory. For users in the MassTransit Master List that are automatically created in MassTransit s address book, you can manually add additional users to permissions for who they can send to, for example for external users such as other servers, MassTransit Distribution Lists can be nested, or include other Active Directory groups allowing direct mapping to various business unit configurations that you have created already. Permissions for file transfer can be mapped directly to group member changes that are managed elsewhere. On Demand Accounts If an Active Directory user is already on a MassTransit Distribution List, but not on the MassTransit Master List, then the user s account is not automatically created in MassTransit. However, when that user attempts to log in, MassTransit automatically creates an account for them. Conversely, when determining who a user can send files to, MassTransit lists all users in the user s MassTransit Distribution Lists, even if they don t have accounts created in MassTransit yet. When files are forwarded to that user, then an account is created. MassTransit Server Manual Page 17

18 Contacts 18 Automatic account creation only occurs when files are forwarded from AD authenticated web clients. Accounts are not automatically created when files are forwarded from servers, application clients, or other contacts; existing forwarding workflows continue to work exactly as they have in the past. Adding an Application Client or Satellite Server Follow these directions to add an Application Client or a Satellite Server. Application Client and Satellite Server entries work only with their own Enterprise or Professional Server. After creating a contact for an Application Client or a Satellite Server, you create a CFG file which the client places in their MassTransit folder. This file allows you to recognize them when they connect to you to transfer files. Application Clients Application Clients can send files to you and monitor mailbox folders for files you send to them. To add a contact to the Contacts window, follow these steps. 1. Follow the general directions on page 16 of this chapter. If you plan to give the Application Client a CFG file to connect, then skip step 2; you do not need to set up authentication. 2. If you set up FTP access for the Application Client, choose a radio button for Authentication. You can set up MassTransit with a specific user name and password for each client planning to use FTP access. If you set up Active Directory authentication, the client accesses FTP using a domain account. When you select the MassTransit button, you specify a User Name and Password clients use. Give the name and password to the new client to use when logging in. The name and password the client enters are used by MassTransit to authenticate the caller. -OR- When you select the Active Directory button clients are authenticated using Active Directory. Type the domain account or address and click Search to find it. If MassTransit finds the domain account, a green light appears. Otherwise, a red light appears. If you set up both Active Directory authentication and FTP access for the Application Client, the account can be accessed using FTP using a domain account. 3. On the Security tab, require a certificate for remote contact identification for TCP/IP Secure connection. See Setting Up Secure Connections on page On the Security tab, choose FTP privileges. 19 Contacts Click Save. 6. Highlight the name of the newly created contact and create a CFG file for the Application Client. See the following section. Satellite Servers Follow these directions to add a Satellite Server. Satellite Server entries work only with their own Enterprise or Professional Server. After creating a contact for a Satellite Server, you create a CFG file which the contact places in their MassTransit folder. This file allows you to recognize them when they connect to you to transfer files. Satellite Servers can send files to you and monitor mailbox folders for files you send to them. In addition, Satellite Servers can forward files to any contact on their Enterprise Server if given permission to do so. To add a contact to the Contacts window, follow these steps. 1. Follow the general directions on page 16 of this chapter.. 3. On the Security tab, require a certificate for remote contact identification for TCP/IP Secure connection. See Setting Up Secure Connections on page Click Save. 5. Highlight the name of the newly created contact and create a CFG file for the Satellite Server. See the following section. Generating a CFG File for Application Clients and Satellite Servers After creating an Application Client or Satellite Server in the Contacts window, generate an mtclient.cfg file for them to place in their MassTransit folder. The mtclient.cfg file identifies an Application Client or Satellite Server with your Professional or Enterprise Server so they can connect to your MassTransit Server only. To generate a cfg file, follow these steps. 1. Add the contact to your Contacts window and highlight the name of the contact. 2. From the File menu, choose Build Client Configuration. Be sure to configure settings that the remote Application Client or Satellite Server will use; do not enter settings for your machine. MassTransit Server Manual Page 19

20 Contacts Choose a Communications Method for Incoming Calls. If you wish, place a check in the Answer Incoming Calls checkbox. For information about incoming calls, see page Choose the method for Outgoing Calls. On the Macintosh, click on the Outgoing Calls tab. For information about outgoing calls, see page 36. For Satellite Servers, fill out the Automatically Place Calls section, if you wish. 5. Place a check in the checkboxes you want to apply for General Privileges. On the Macintosh, click on the Privileges tab. For information about general privileges, see page If you want the Satellite Server or Application Client to require authentication, place a check in the Require Verified Certificate From User checkbox. 7. Click Build. A dialog appears that allows you to locate the folder in which you want to place the CFG file. MassTransit Server Manual Page 20

21 Contacts Locate the folder in which you want to save the CFG file and click OK. The CFG file is created. Send the CFG file to the contact who has the MassTransit Application Client or MassTransit Satellite Server. They place it in the folder with the software. Allowing Clients and Satellite Servers to connect The Satellite Server and Application Client installers can be downloaded from After downloading the installers, a contact installs the MassTransit application software: generic client software for the Application Client and Satellite Server software for the Satellite Server. Then, before a contact connects to you using MassTransit to transfer files, they place the mtclient.cfg file created by your MassTransit Server in the root MassTransit folder. When the Satellite Server software opens, your name is placed in the Satellite Server s About Box and an entry is made for you in the Satellite Server s Contacts window called Server. When the Satellite connects to you, the CFG file allows you to recognize the Satellite as someone in your Contacts window. Adding a new MassTransit Enterprise or Professional Server You can add an Enterprise or Professional Server to your Contacts window in two ways. (1) Receive a call from a Server which automatically adds an entry in your Contacts window for that Server if security settings allow a connection or (2) Add a Contact for another MassTransit Server and then place a successful call to that Server. Receiving a call from an unknown Server A calling Server is considered unknown until added to the receiving Server s Contacts window. To accept a call from an unknown Enterprise or Professional Server, follow these steps. 1. In the Setup window, click the Special tab. 2. Click the option Accept Calls from Unknown MassTransit Servers. If you click Decline Calls from Unknown MassTransit Servers, no unknown Server can call you. 3. Enter a password, if desired. A new calling Server will need to enter this password the first time they call you. Thereafter, a password won t be required, because MassTransit will recognize the calling Server. Note For security, MassTransit encrypts passwords before storing them. As a result, scripts can not access passwords. Identifying your Server Before connecting to another Enterprise or Professional Server yourself, you may want to verify the name to be used by MassTransit to identify yourself to the remote Server. 1. In the Setup window, select the Outgoing Calls tab. 2. Verify or change the name you want to use to identify yourself to the other Servers. MassTransit Server Manual Page 21

22 Contacts 22 Adding a new Server entry To add a new Enterprise or Professional Server before calling, follow these steps. 1. Follow the general directions on page 16 of this chapter. 2. Click OK or Save to close the Contact Information dialog box. 3. Before calling another Server, make sure that the contact running the software has chosen to receive calls from unknown Servers and ask if a password is required. 4. In your Contacts window, select the name of the other Server and click Connect. You may need to type a password if the other server has required one. When the connection is made, the calling Server is automatically added to the receiving Server s Contacts window. Adding a new Server entry by sending files If you are using Active Directory to create MassTransit Master and Distribution Lists, you can add a Server automatically when you send that Server files from the Files window. You choose the Server to send files to using the User Filter on the Files window. The User Filter list contains the names of those Servers you have entered in the MassTransit Contact dialog box manually. In addition, when you are using Active Directory, names of those who are on a Distribution or Master List with you are listed in the User Filter list. When you send files to people listed in Active Directory, they are added to the MassTransit contact list. Those on a Master list are added to the MassTransit contact list; those on Distribution lists are added for a short period of time, as set by the administrator. See pages 63 and 64 for steps to send files to a Server. Adding a new Web Client on an Enterprise Server The Enterprise version of MassTransit provides a Web Client for transferring files. Remote Web Clients can pick up and drop off files and forward files and can fill out job tickets for the files. In addition, you can give web clients permission to forward files to contacts in your Contacts window and choose a Service to process files remotely. Your connection can be secured using Secure Sockets Layer (SSL) technology to provide certificates for authentication and encryption of data during transfer. The number of Web Clients is restricted by the Web Client limit that came with your license. Acceptable Browsers See the ReadMe for the latest information about the browsers you can use to connect to MassTransit over the web. Once Web Clients connect to your server via the Internet, they see the MassTransit web pages. By default, the web pages are installed in the folder with the MassTransit application in the folder. You may rename the folder or move it to a different location. However, if you do, you must use the Setup window to configure MassTransit to find the folder. See the section Moving or renaming the web pages on page 27 for instructions. Using FTP Fallback Web Client accounts can be accessed using the MassTransit Web Client software or by using FTP Fallback. FTP can be used as an alternative when it is not possible or desirable to install the Web Client Plug-in. Using FTP presents certain security risks and has fewer functions than the web client, but does not necessarily require installation of additional software. For more information about FTP Fallback, see page 26. MassTransit Server Manual Page 22

23 Contacts 23 Creating the web client entry You can add Web Clients through the Contacts window. 1. Follow the general directions on page 16 of this chapter. Choose Web Client from the Entry Type menu. 2. For Authentication, select a radio button. When you select the MassTransit button, you specify a Login Name and Password clients use. Give the name and password to the new web client to use when logging in. You may force Clients to change their password (1) after a set number of days and (2) when they log in the first time using the Setup window. MassTransit displays contact information pulled from Active Directory dynamically when you click the Search button while configuring Active Directory authenticated web clients. The name and password the web client enters are used by MassTransit to authenticate the user. -OR- When you set up the Active Directory option, web clients are authenticated using their Active Directory account instead of having a separate login and password for MassTransit. Type the domain account or associated address and click Search to find it. If MassTransit finds the domain account, a green light appears. Otherwise, a red light appears. 3. If you do not want the web client to be able to connect using FTP Fallback, go to the Security tab and select No FTP access. 4. On the Mailbox tab, select mailbox location, and output and priority folders. See page 30 for information on mailbox settings. 5. On the Security tab, check the general privileges and web privileges you want the contact to have. On the Macintosh, go to the Web Privileges tab to access the web privileges information. Select the privileges you want the web client to have. See page 29 for General Privileges and page 24 for Setting web privileges for information. 6. On the Security tab, place a check in the Use Web Job Ticket checkbox to require the web client to fill out a job ticket before sending files. On the Macintosh, the checkbox is located on the Web Privileges tab of the Security tab. MassTransit Server Manual Page 23

24 Contacts 24 A job ticket allows the web client to enter information about themselves such as company and address, and instructions and details about the accompanying job. For information about web job tickets, see Requiring a web job ticket on page 25 of this chapter; for information about job tickets in general, see page 8 About job tickets. 7. On the Web Restrictions tab, for Forwarding Privileges, use the Add menu to select the contacts whose mailbox you want the web contact to be able to send files to. 8. On the Web Restrictions tab, for web access to the Log, use the Add menu to select the contacts whose Log entries you want the web contact to be able to view. Only the log window of the contacts you place on this list are visible for remote administration from the web client. Others are not accessible. 9. On the Web Restrictions tab, for Services Available to Contact, use the Add menu to select services that you want available to the Web Client. Only Services you have defined are listed. You must set up services for your remote contacts to use before you can assign them. See page 73 for information about setting up services. 10. Click Save to close the Contact Information dialog box. The contact is added to the Contacts window. Setting web privileges You can configure privileges for each web client when you add them to the Contacts window or edit the privileges later. To view and change the web privileges, follow these steps. 1. In the Contacts window, click Add to add a new contact, or select an existing contact and click Edit. 2. Go to the Security tab. 3. On the Web Privileges tab, choose privileges for the web client. MassTransit Server Manual Page 24

25 Contacts 25 Allow Connection Via Web to Transfer Files Check this checkbox to allow file transfer. Allow User to Access Log window Check this checkbox when you want the web client to have access to the Log window. Then, check the Limit Log to Listed Contacts in the upper right corner of the tab if you want to limit the contacts the web client sees. Allow Repeated Pickup of Files Check this checkbox if you want the files you send to the web client to stay in the Pickup tab until you remove them using the MassTransit Administrator File window. This allows the web client to download files multiple times. Use Secure Connection to Transfer Files If you want the web connection to be secured using Secure Sockets Layer (SSL) and encryption, check the checkbox Use Secure Connection To Transfer Files. Choose a minimum level of encryption you will accept. For information about secure connections and encryption, see Setting Up Secure Communications on page 51. Allow User Access To Reports Check this checkbox if you want the web client to be able to use the reporting tool. Using Reports, the web client can analyze the log and other data collected in MassTransit s MySQL database to gain insight into system performance, system usage, load and errors and more. When you check the Allow User to Access Reports, the following dialog appears. Later, click the Configure button to display the dialog box and change these options. To allow the web client to create system-wide reports which contain data about all other contacts, click Allow user to run all reports including server summaries -OR- To allow the user to create a limited range of reports about elected contacts, click Restrict user to contact-based reports. Once you choose this option, you may choose to limit the number of contacts for which reports can be generated. Click Limit contact-based reports to the contacts listed, then use the Add and Remove lists to create that list of contacts for whom reports can be generated. When you give a web client the ability to make reports, a Reports tab appears when logged in to the web site. This tab displays the selection of reports available. The web client chooses a type of report to create, then selects a range of dates. The report appears. For a full list of types of reports available, see Creating Reports on page ## of this manual. For more information see MassTransit Server Manual Page 25

26 Contacts 26 Requiring a web job ticket You can require a job ticket from the web client. See page 64 for more information about using job tickets. Web clients using FTP cannot use a job ticket. To require web clients to fill out a job ticket when they send files to you, follow these steps. 1. Open the Contacts window. 2. Click Add to add a new contact, or select an existing contact and click Edit. Go to the Security tab. When you check the Use Web Job Ticket checkbox, a Browse For dialog appears. Locate the job ticket you want to use. Once you select a job ticket, your web client sees a job ticket before selecting files to send. You can duplicate the default job ticket and edit copies using a text or HTML editor to require the web client to fill in certain information before being able to send you files (validation). These newly created job tickets must reside in the folder with the default job ticket (Remote Administration: MassTransit Remote Admin:.) Configuring Password Security for Web Clients You can require Web Clients to change their password if you wish. To set password changing requirements, follow these steps. 1. From the MassTransit Enterprise Setup window, select the Security tab, then, the Web Login tab. 2. To require Web Clients to change their password after a set number of days, type the number of days you wish. 3. To require Web Clients to change their password the first time they log in, place a check in the checkbox Force web client contacts to change their password at first log in. Note that for security, MassTransit encrypts passwords before storing them. As a result, scripts cannot access passwords.. Password Rules By default, MassTransit enforces the following rules to prevent web client users from using easily guessed passwords. The restriction applies when adding new Web Clients or Application Clients. For clients created prior to MassTransit 5.1, it is applied when they or the administrator change their password. To encourage legacy Web Client contacts to update passwords to be compliant with the new rules, change the setting Web login passwords are valid for x days on the Security tab of the Setup dialog in the MassTransit Administrator. The rules you set apply to passwords that MassTransit is storing. For accounts linked to Active Directory, password rules set up by domain administrators for Active Directory password rules apply. To disable the feature globally, edit the file to change %% = TRUE to FALSE. Be sure to also remove the comment characters (%%) at the beginning of the line. The change will take effect when the MassTransit Engine is restarted. MassTransit Server Manual Page 26

27 Contacts 27 Configuring FTP Fallback The MassTransit FTP Fallback feature, allowing web clients to connect with FTP rather that the MassTransit web client plug-in, can be configured on a contact by contact basis, or, for all existing contacts using a simple MySQL script provided with the application. You can also turn on the FTP Fallback feature globally for all newly created contacts. See the Knowledge Base article / /274 for more information. Listening for Incoming FTP calls Configure the MassTransit server to have an FTP Server incoming call listen. If an FTP Server listen is not available, the FTP Fallback feature does not work. See\ Using MassTransit as an FTP Server on page 42 to set up MassTransit to listen for FTP calls. Allowing FTP Fallback for an individual web client To enable FTP Fallback for a particular user, follow these steps. 1. In the MassTransit Administrator, double click on an existing web client contact, or, create a new contact. 2. Click the Security tab in the Contact Information window. 3. Under the FTP Privileges section, check No FTP Access if you do not want the web client to connect using FTP. FTP Fallback users always see their entire mailbox. 6. Click OK to save your settings. See Web Connections on page 77 for connecting using FTP. Changing FTP Fallback default for new web clients You can change the file to turn on the FTP Fallback feature by default for all newly created web client contacts; the default behavior is off. Initially, the file is located in the Extras folder in the MassTransit folder, but it must be moved to the root of the MassTransit folder to be active. 1. In the FTP Server Settings group of options, uncomment the ON_FOR_WEB_CLIENTS_BY_DEFAULT option by removing the preceding percent symbols (%%). 2. Leave the setting as TRUE to enable this feature, or, set this to FALSE to disable it. 3. When your changes are complete, save the file, and restart the MassTransit Engine to apply the changes. Preparing for Web Access Web sharing must be set up to allow access to a MassTransit Server from the Web. Current information about configuring MassTransit for use with supported web servers can be found in the Group Logic Knowledge Base, at: See Setting Up Secure Communications starting on page 51 for more information about security issues. 28 Contacts 28 Moving or renaming the web pages The web pages displayed for the Web Client are stored in the MTWeb folder within the MassTransit Installation folder. You can rename the MTWeb folder or move it to another location on the same machine if you wish, for example, if you want to keep it with your other web pages. Rename the folder in the Finder (Macintosh) or Explorer (Windows). If you do rename or move the MassTransit MTWeb folder, you must tell MassTransit where to find the web pages. Follow these steps to accomplish this. 1. In MassTransit Enterprise Setup window, select the Security tab, then the Special tab. 2. In the Remote Administration section and select Choose. 3. Once your path has been chosen, select Save. Adding a Group Entry on an Enterprise Server If you are using MassTransit Enterprise, you can send files to a group of people at the same time by creating a Group entry in your Contacts window. A group can include anyone in your Contacts window including those who are using the Forward Via communication method (see page 48 for an explanation of the Forward via feature). The name you choose for the Group appears in your Contacts window. Since Groups are composed of existing entries in your Contacts window, they do not count toward your total number of entries. Creating a Group To create a Group, follow these steps. 1. In the Contacts window, click Add Group. MassTransit Server Manual Page 28

29 Contacts 29 The Group Information dialog box appears. 2. Type a name for the Group. 3. For Group Settings, if you wish, place a check in the Make group members available to web clients instead of group checkbox. When your web clients send files to others, they choose names from the Send to list on the Drop-off folder. When you choose this option, the Send to menu lists the names of group members, rather than the name of the group. See page 79 for information on sending files to others from a web client. 4. Use the Add and Remove menus to add entries or delete entries from the Group. Note The Generic Client is not listed nor are any Groups you might have created previously. Also unavailable are web clients that have Allow Repeated Pickup of Files selected. 5. Select the Mailbox tab. 6. If you wish, use the Mailbox location section to set up a custom mailbox. See page 30 for information about mailboxes. MassTransit Server Manual Page 29

30 Contacts You can add Print To, Output To, and Forward To folders that you have previously created as services. See page 73 for information on providing services to others. 8. Choose Mailbox Priority Folders for sending files you wish to assign to the Group. MassTransit Enterprise can create Priorities for sending files using the Priorities tab of the Setup window. See page 67 for directions. 9. Click Save to save the Group. The Group is added to the Contacts window and designated Group in the Type column. Using a Group You use a Group contact to send files just as you do an ordinary entry in the Contacts window including forwarding files to a group; see page 48 for information about forwarding files. Files are sent to every member of the group. You do not set triggers for sending files when you create a Group. Instead, the triggers for each individual group member affect when files are sent for each member of the group. Contacts window You may drag files to a Group contact in the Contacts window to designate the file for sending to the Group. Files window When you display the Group entry in the User Filter, the files you have designated to send to the whole Group are listed in the To Send tab. They are listed, as well, for each individual member in the Group. In the To Send tab of the Files window, you may select the Group entry and click Add Files or drag files to the Group entry. Log Log entries are entered for the Group and each individual member just as they are for other entries. Viewing the Log You can specify in the config file an Active Directory group whose members can view the log. When group members log in using Active Directory credentials, MassTransit checks which groups they re a member of. If they are in the specified group, they can see the log. You can specify in the MTEngine.cfg file an Active Directory group whose members can view the MassTransit Log without having individual MassTransit accounts. When members of the specified group log in to MassTransit using valid Active Directory credentials, they are able to access the Log tab through. If a member has an individual MassTransit account, its settings take precedence. General Privileges For each contact in your Contacts window, you can assign specific privileges, as explained here. Accept Calls From User lets remote contacts make a connection to your system. Receive Files From User allows the remote contact to send files to you. Send Files To User automatically sends files designated for sending each time a connection is made. For more information, see Designating Files to Send on page 62. Allow User To Replace Files automatically overwrites files of the same name in the contact s Received folder during file transfer. If you don t want to overwrite files, you can use a timestamp folder. Automatically Process Received Files starts processing files received from others for a service as soon as the files arrive at the Server system. See page 73 for information about setting up services. Replace Invalid Characters in File Names for Windows, permanently converts filenames from Macintosh computers that have invalid Windows characters (such as \ or?) by substituting dashes (-) for invalid characters. See page 59 for more information. If this option is not checked, the server does not accept files that have illegal characters in their names. The log receives a message in this case. 31 Contacts 31 Compress Files During Transfer compresses files during the transfer process. MassTransit uses a lossless compression algorithm so there is no change to the file in the transfer process. Use Timestamp Folder When Receiving (TCP/IP and TCP/IP Secure connections only) places files received from a contact in a new folder for each transfer; the folder is named with the date and time. To set remote contact privileges, follow these steps. 1. In the Contacts window, click Add to add a new contact, or select a remote contact and click Edit to change settings for an existing contact. 2. In the Security tab, select the General privileges you want the contact to have. 3. Click Save to close the Contact Information dialog box. When you add a new contact, MassTransit creates a folder for that contact called a mailbox. MassTransit uses this folder to store all the incoming files for that contact. Mailboxes for all contacts are stored together in a default location, however, you can change this default location to any folder or disk drive available to MassTransit. In addition, you can choose a custom location for an individual contact s mailboxes. Mailboxes Each mailbox folder includes four other folders: The Received folder, where MassTransit stores the files the contact sends you The To Send folder, where you can drop files to be sent to your remote contact as needed The Sent folder, where MassTransit moves files from the To Send folder after transmitting them The Cannot Be Sent folder where MassTransit moves files that cannot be sent. The first three folders correspond to the tabs in the Files window: To Send, Sent, and Received. There is an additional folder for MassTransit Enterprise Servers. The To Be Forwarded folder is used when an Enterprise server is forwarding files to another contact. Files are stored temporarily while being forwarded in a To Be Forwarded folder By default, mailboxes for all contacts are stored in a User Mailboxes folder located in the MassTransit folder. You can choose a new default location to store the User Mailboxes folder. In addition, you can choose a custom location for any individual contact. Mailboxes can be stored in any folder or disk drive available to MassTransit. You may receive and send files to contacts and later change the location of the mailboxes from the default location to a custom location or vice versa. It is easiest to change the location when the mailboxes are empty since files are not moved when you change the location. However, if you have files in any contact s mailbox received, to send, or sent you should move them manually. MassTransit Server Manual Page 31

32 Contacts 32 Custom mailbox location To choose a different location for saving all contacts mailboxes, follow these steps. 1. Before changing the location for saving mailboxes, make sure you have moved needed files that are in the old mailbox location. 2. In the Setup window, click the Special tab. 3. From the Location of User Mailboxes Folder section, select Use Custom Location and click Choose. Locate the disk and folder for the new location. 4. Click Open, then click OK to Save to close the Setup window. MassTransit automatically creates mailboxes for each entry in your Contact window and files received and sent are placed in them. If you use the default mailbox option, MassTransit creates a contact mailbox folder within the User Mailboxes folder in the MassTransit folder. The user mailbox folder has the same name that you entered for the remote contact. You can set the mailbox path for a contact via the COM scripting interface using the Mailbox Location property for MassTransit Contacts. Setting up a custom mailbox If you prefer, you can designate a different folder location for contact s mailbox folder. This custom mailbox folder can be located anywhere on your system or on a mounted network server and can have any name you want. However, you cannot select a folder previously assigned to another contact; each contact must have a unique mailbox folder. In addition, MassTransit creates the Received, Sent, To Send, Cannot be Sent, and To be forwarded folders within the folder you select. If you change your mind later, you can always designate a different folder to act as the contact mailbox. To create a custom mailbox for a contact, follow these steps. 1. In the Contacts window, click Add to add a new contact, or select an existing contact and click Edit. Go to the Mailbox tab. MassTransit Server Manual Page 32

33 Contacts For Mailbox Location, click Use Default Mailbox if you want the mailbox folder to appear within the User Mailboxes folder and have the same name as in the Name box in this window. To use another folder as the user mailbox, click Use Custom Mailbox and click Select. Locate and select the folder you want. Then click Select <folder name>. 3. To add Mailbox Output Folders, click Add Folder. You can create Output To, Print To folders in the remote contact s To Send folder. Using these folders, you can print on a remote printer or a hot folder. The names of the folders must be identical to those of devices such as printers or hot folders that the remote contact has defined. Remote contacts who can set up services are other Professional Servers, Enterprise Servers, and Satellite Servers. See page 74 for more information on Output To and Print To folders. If you are working with a MassTransit Enterprise Server, you can forward files through them to someone in the Enterprise Contacts window. You can create a Forward To folder in this dialog. See Forwarding Files through a MassTransit Enterprise Server starting on page Click OK to close the Contact Information dialog box. If you previously clicked Save while the default mailbox option was selected and have changed to a custom mailbox, MassTransit asks where to put the old mailbox folder. You can delete the old mailbox folder and all its contents or move it to your desktop. Note If you are changing from a custom mailbox to a default mailbox, or changing from one custom mailbox to another, MassTransit does not affect your original custom mailbox. To delete or move its contents, you must do so manually using the Macintosh Finder or Windows Explorer. Deleting a contact If you no longer need to communicate with a contact, you can remove that contact from the Contacts window. For example, if you reach the maximum number of Satellite Servers or Application Clients and want to add a new one, you will have to remove an existing entry or purchase additional licenses. However, once a contact has been removed from the Contacts window, MassTransit will not accept a connection from that contact. An Enterprise or Professional Server can have an unlimited number of Enterprise or Professional Servers in the Contacts window. MassTransit retains contact information in the Log even when that contact is deleted from the Contacts window. To delete a contact, follow these steps. 1. In the Contacts window, select the contact s name. 2. Click Delete. When prompted, click Delete again. MassTransit asks you where to put the contact s mailbox folder. Click In Trash to delete the mailbox folder and all its contents. MassTransit Server Manual Page 33

34 Contacts 34 Note If you have assigned a custom mailbox folder for a contact you are deleting, MassTransit will not prompt you to delete or move the folder as it does for a default mailbox folder. You will need to manually move or delete the folder and its contents. In addition, if you have created any aliases to either default or custom mailbox folders, you need to delete them manually. 35 Chapter Two: Setting Up Communications Before you can send or receive files, you must tell MassTransit what kind of communication method you are using and what settings you want. This section explains how to set up communication methods. Configuring communication methods Configuring incoming calls Configuring outgoing calls TCP/IP and TCP/IP Secure Hot Folder FTP Server and Client WAM!NET The Enterprise version of MassTransit acts as a central Server. Others can communicate using forwarding when they can send files through an Enterprise MassTransit Server. Using SSL for encryption and certificate when using TCP/IP Secure Configuring communication methods MassTransit allows an unlimited number of simultaneous incoming and outgoing file transfers using multiple communication methods. MassTransit can do the following tasks. Listen for incoming calls on multiple methods Transfer files to and from multiple contacts at the same time Viewing the communications methods being used The Status window shows the status of connections and transfer information. In the following figure, the Status window shows MassTransit waiting for calls or checking for transfers using multiple communication methods. In addition, it shows the amount of disk space being used by MassTransit databases and mailboxes. The Macintosh Status window displays databases and mailboxes stored on the same drive; the Windows Status window displays databases and mailboxes stored on different drives. Viewing the amount of disk space in use You can view the amount of disk space in use from the Status window. If you have the databases and mailboxes saved on the same drive, the amounts displayed are identical.

36 Communications 36 Controlling the bandwidth of connections If you are using MassTransit Enterprise or Professional, you can adjust the percentage of the bandwidth available for each connection from the Status window. This allows boosted connections to transfer faster. See page 60, Using the throttle to control bandwidth with an Enterprise Server for directions to use the throttle. Configuring Incoming Calls To configure each method for incoming calls, follow these steps. 1. In the Setup window, select the Incoming Calls tab. In addition, you can open the Setup window from the Status window by clicking Edit Setup. 2. Click Add to add a communication method to the list. The Add Incoming Call Method dialog box appears. Windows contacts do not see WAM!NET; they can use WAM!NET through hot folders but cannot set up an incoming method. From the Add Incoming Calls Method menu, choose the communication method and configure it. See the sections below for specific directions for your communication method. 3. Click OK to close the Add Incoming Call Method dialog box. Make sure you leave a check in the Answer Incoming Calls checkbox or Periodically Check for Files. After configuring a method, it appears in the Incoming Calls tab in the Setup window. Edit any setting by highlighting a method and clicking Configure. Delete a method by highlighting it and clicking Delete. 4. Click Save to close the Setup window. Listen reposting Once you set up to listen on a communication method, MassTransit attempts to listen using that method. If a method fails, for example, if a wire is inadvertently disconnected, MassTransit tries to reestablish the listen every five minutes for twelve times. After that, MassTransit abandons the attempt to listen. The Status window shows that that method is not listening. You can change the number of minutes MassTransit waits to retry a listen method if one fails. In addition, you can change the number of attempts MassTransit makes to reestablish the listen. To change these numbers, follow these steps. MassTransit Server Manual Page 36

37 Communications Open the MassTransit.cfg file in a text editor. By default, it is located in the Extras folder in the MassTransit application folder. 2. Change the following lines by typing the numbers you wish for the reposting interval, and the maximum number of times MassTransit should try to reestablish the listen. = ( of minutes for repost) = ( of times to retry) 3. Place the file in the main MassTransit folder where the MassTransit application is located. 4. Restart the MassTransit Engine and the MassTransit Administrator to allow changes to take effect. Configuring Outgoing calls To set up outgoing communications for each contact in the MassTransit Contacts window, follow these steps. 1. In the Contacts window, click Add to add a new Contacts window entry. For more information, see Adding an Application Client or Satellite Server on page 18, Adding a MassTransit Enterprise or Professional Server on page 21, or Adding a Web Client on an Enterprise Server on page From the Contact Information window, select the Outgoing Calls tab. 3. From the Method menu for Outgoing Calls, choose the communication method. 4. To configure the selected method, click Configure. See the sections below for specific directions for your communication method. MassTransit Server Manual Page 37

38 Communications For Automatically Place Calls, select the options you wish. See page 65 Sending Files automatically for more information. 6. Click Save to close the Contact Information dialog box. Multiple simultaneous outgoing calls MassTransit can place calls automatically to a number of remote contacts at the same time if you have enough methods available. You can (1) designate a maximum number of calls to be placed at once for TCP/IP calls and other types of calls or (2) restrict the total number of TCP/IP calls that can occur simultaneously (both incoming and outgoing). To set maximum number of calls for TCP/IP and other types of calls, follow these steps. 1. Click the Setup window, select the Outgoing Calls tab. Use the Simultaneous Calls Settings section. 2. To set a number for simultaneous non-tcp/ip outgoing calls, check the check box Allow simultaneous automatic non-tcp/ip outgoing calls. Then, type the maximum number of simultaneous calls you want to allow. 3. To set a number for simultaneous TCP/IP connections, check the check box Restrict total simultaneous TCP/IP connections to Then, type the maximum number of simultaneous TCP/IP calls you want to allow. 4. If you wish, change the recommended number of minutes for others to retry your number before recalling when your server is busy. Multistreaming You can send files over multiple connections using different streams to the same server when you are using TCP/IP and TCP/IP Secure. To use multistreaming, set up two or more contacts for the same server; if one contact is sending files, you can make a connection to send files with the other contact. The files are sent simultaneously. To set up multistreaming, follow these steps. 1. In the Contacts window, while adding or editing a Server contact, select the Outgoing Calls tab. 2. For Multiple Stream Connection ID, select a number for the stream you want the contact to use. 3. Repeat steps one and two for more contacts. Each contact uses a different stream to send files; multiple connections can send files at the same time. TCP/IP MassTransit allows you to connect to another contact through a TCP/IP network connection. You can choose TCP/IP Secure to protect connections using the Secure Sockets Layer (SSL) protocol. For best TCP/IP performance over broadband connections, see the GLI Knowledge Base article Tuning TCP/IP Performance for MassTransit at cfm/fuseaction/ / /103. In Mac OS X, only the root user has access to ports below Because of this limitation, in order for MassTransit to listen on the standard FTP or TCP/IP Secure ports, MassTransit previously needed to be run with root privileges. 39 Communications 39 quirement, xinetd can be used to redirect traffic from one port to another. This allows MassTransit to be configured to listen on a port above 1024 but receive incoming traffic on a port below For more information, see the Group Logic Knowledge Base at /172 MassTransit automatically listens when TCP/IP stack changes occur. MassTransit watches for changes to the computer s TCP/IP settings and listens on all communication methods when they are detected. Changes include Ethernet links going up or down, IP address changes, and PPP connections going up or down. TCP/IP Connections To set up standard TCP/IP communications, follow these steps. Incoming calls using TCP/IP Follow the steps below to configure TCP/IP to receive calls. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add. 3. Choose TCP/IP from the Method pull-don menu. 4. If necessary, change the port to one which allows network traffic. MassTransit uses as its default port. Normally, you should not change this value. Make sure your firewall is configured to allow traffic on port or change MassTransit to allow traffic on a port that is allowed on your firewall. Note Notify the contact who will call you of the port number. They must call the port you have typed here. 5. Click OK. You are ready to receive calls over TCP/IP. Outgoing calls using TCP/IP If you are entering a contact in the Contacts window, you must enter the IP address or host name of the contact you want to call. 1. In the Contacts window, click Add to add a new contact. In the Contact Information window, select the Outgoing Calls tab. 2. Choose TCP/IP from the Communication Method menu. 3. Type the IP address or host name of the contact you want to call. MassTransit Server Manual Page 39

40 Communications If necessary, change the remote contact s port to one which allows incoming network traffic. MassTransit uses the standard port as the default. Normally, you should not change the port number. However, if the network you are calling is protected by an Internet firewall, type the number for the port that allows incoming network traffic. Note If you have trouble connecting, make sure you have the correct IP address or host name and the correct port number entered. 5. Click OK. You are ready to place calls with TCP/IP. TCP/IP Secure Connections You can set up secure TCP/IP communications using SSL for connection over TCP/IP. Using SSL, MassTransit can require calling parties to verify who they are before allowing a connection. To verify who a calling party is, SSL uses authentication in the form of certificates which are presented at the time MassTransit connects with another contact. If a certificate is not valid, MassTransit does not allow a connection. Certificates MassTransit works with two types of certificates: 1) Self-generated by MassTransit itself (which is the default option), or 2) Certificates issued by a Certificate Authority (CA). Using self-generated certificates allows you to avoid paying fees and maintenance issues. However, no one verifies that the certificate owner is who they claim to be, and you may be susceptible to certain kinds of attacks that allow people to intercept your data. When you have a certificate issued by a CA, they verify the identity of the other party you are about to connect to. You can buy a certificate from one of the well known Certificate Authorities, such as VeriSign or Thawte, or you can become your own CA and issue certificates for all the MassTransit servers within your organization. If you want to create your own certificate authority, create it before you set up TCP/IP Secure as an incoming or outgoing method of communication. For directions on creating or obtaining certificates, see Setting Up Secure Communications on page 51. Incoming calls using TCP/IP Secure Follow the steps below to configure TCP/IP Secure to receive calls. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add. 3. Choose TCP/IP Secure from the Method menu. 4. If necessary, change the port to one which allows incoming network traffic. MassTransit uses 443 as the default port for TCP/IP Secure. Normally, you should not change this value. However, if your network is protected by an Internet firewall, type the number for a port that allows incoming network traffic. Note Notify the contact who will call you of the port number. They must call the port you have typed here. 5. Select a minimum level of encryption for incoming files. MassTransit uses the selected level as a minimum. If a remote contact sets connection encryption to a higher level, MassTransit accepts the connection. If connection encryption is set to a level lower than your minimum, MassTransit refuses to connect. MassTransit Server Manual Page 40

41 Communications Click OK. You are ready to receive calls over TCP/IP Secure. Outgoing calls using TCP/IP Secure If you are entering a contact in the Contacts window, you must enter the IP address or host name of the contact you want to call. 1. In the Contacts window, click Add to add a new contact. In the Contact Information window, select the Outgoing Calls tab. 2. Choose TCP/IP Secure from the Communication Method menu. 3. Type the IP address or host name of the contact you want to call. 4. If necessary, change the port to one which allows incoming network traffic on the remote network. MassTransit uses port 443 as the default. Normally, you should not change the port number. However, if the network you are calling is protected by an Internet firewall, type the number for a port that allows incoming network traffic. 5. Type the remote contact s COMMON NAME. This must be the common name the remote contact used when creating a certificate or obtaining a certificate from a Certificate Authority. See page 53 in this chapter. 6. Choose a level of encryptions from the spin box. When you send files to this contact, the files are encrypted to this level. Note Make sure the level you choose is at or above the minimum level of encryption the remote contact has set when configuring TCP/IP Secure as an Incoming Method in the Setup window. 7. Click OK. You are ready to place calls with TCP/IP Secure. Note If you have trouble connecting, make sure you have the correct IP address or host name and the correct port number entered. Hot Folder A Hot Folder is a folder that behaves as a mailbox for sending and receiving files between MassTransit and another application. You may use Hot Folders to send and receive files from a contact or application. With this method, you can configure MassTransit to communicate with other types of systems by having both watch the hot folders. Hot folders may be on local or remote network volumes; use hot folders with any program that recognizes incoming and outgoing jobs in hot folders. When you send files using the Hot Folder method of communication, MassTransit transfers the files to the outgoing hot folder you designated. Instead of listening for calls, MassTransit periodically checks the incoming hot folder for received files. MassTransit Server Manual Page 41

42 Communications 42 Outgoing calls using a Hot Folder If you are adding a contact in the Contacts window, follow these steps to configure the communication method. 1. Create and name three folders (directories) for a hot folder contact: a To folder, a Staging folder and a From folder. These folders may be on a local hard disk or on a remote server volume. MassTransit uses the Staging folder as a temporary buffer as it moves files to the To folder for sending. The files the other contact deposits in the From folder are received by MassTransit in the Received folder. The To and Staging folders must be on the same volume. 2. Add or Edit a contact. In the Contact Information window, select the Outgoing Calls tab. 3. Choose Hot Folder from the Communication Method menu. The Configure Hot Folder dialog appears. 4. Click Choose for each of the To, Staging, and From folders, and locate the folders you created to send, stage, and receive files. If the folders don t exist you can create them within the source dialog. 5. For Options, uncheck the checkbox if you want files and folders to be placed directly into the To folder rather than in a uniquelynamed folder. If you leave this option checked, MassTransit creates folders to place files into. If you do not let MassTransit create such folders, some systems such as WAM!NET may have problems. 6. Click OK. Incoming calls using a Hot Folder MassTransit periodically checks the From folder for files. When files are present in a From folder, MassTransit pretends it receives a call to receive the files. When you are setting up MassTransit to receive calls using a Hot Folder, follow these steps. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add to add a communication method. 3. Choose Hot Folder from the Method menu. A dialog appears telling you that MassTransit will check for messages every minutes. MassTransit Server Manual Page 42

43 Communications Change the number of minutes, if you wish. 5. Click OK. MassTransit monitors the From folder for the presence of files and treats files as received files. Receiving files When you receive files from a contact using Hot Folder, they are placed in a separate folder in your contact s Received folder. This folder is created automatically and is set up to receive all non-masstransit files. If you have allowed the contact to replace files (see Setting privileges for transferring files on page 58) a folder is created in the receiving folder each time the other contact transfers files. If you have not allowed the Client to replace files, a folder is created for each transfer. FTP MassTransit can transfer files with a remote FTP contact by acting either as an FTP Server or as an FTP Client. In addition, web clients may use FTP Fallback as an alternative to installing the MassTransit Web Client (see FTP Fallback on page 26). MassTransit can handle long file names on either platform and files over 4GB in size. Satellite Servers and Application Clients do not support FTP functionality. FTP Clients must be using Macintosh OS X or Windows 2000 or higher. MassTransit FTP Clients default to Passive mode; using the Passive Mode works better with firewalls. This setting can be deselected in the FTP Client Configuration. Note When using Active mode FTP, MassTransit servers connect back to clients on port 20. On Windows, port 20 is used. On Mac, MassTransit attempts to connect on port 20, but if it is not running with root privileges, it reverts to a port above See the ReadMe file for more information. Using MassTransit as an FTP Server Incoming Calls When MassTransit is set up as an FTP Server, the remote FTP contact initiates the transfer. Follow the steps below to configure MassTransit to send and receive files using FTP. The port used for FTP commands and data can be configured when MassTransit Enterprise or Professional is listening as an FTP Server. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add to add FTP. MassTransit Server Manual Page 43

44 Communications 44 The Configure FTP Service dialog box appears. 3. Change the Command and Data Ports, if you wish. 4. Change the Welcome message, if you wish. Everyone who sends files to you sees this message. 5. Click OK. Enabling a remote contact to retrieve files To enable others to retrieve files when MassTransit is set up as an FTP Server enter a name and password for that contact and set up privileges when you add or edit an entry in the Contacts window. 1. In the Contacts window, click Add to add a new contact or double-click an existing entry. The General tab appears. 2. On the General tab, for Authentication, type a Login Name and Login Password. 3. On the Security tab, check the checkbox Allow Connection Via FTP to Transfer Files. 4. Choose the option you wish to enable the contact to access the entire mailbox or just the Received folder 5. Click Save to close the Contact Information window. Sending files To send files to others when MassTransit is acting as an FTP Server, place files in the To Send folder. Use the Macintosh Finder or Windows desktop to add files to the To Send folder of the contact who will pick up the files using FTP. Note Files must reside in the To Send folder. Files added using Add Files in the Files window are not visible to contacts who connect using an FTP Client. Using MassTransit as an FTP Client When you want the MassTransit Server to act as an FTP Client, choose FTP Client in the Contacts window as the communication method. MassTransit periodically checks the designated FTP Server for files. When files are present, MassTransit pretends it receives a call to receive the files. To set up outgoing communications, follow the steps below. Outgoing calls using the FTP Client Follow these steps to configure the FTP Client communication method. MassTransit Server Manual Page 44

45 Communications If necessary, create a Pick Up and Drop Off directory on the remote FTP site. You may use your own names if you wish. If appropriate folders are already available, you can use them rather than creating new folders. 2. In the Contacts window, click Add or Edit a contact. In the Contact Information window, select the Outgoing tab. 3. Choose FTP Client from the Method menu. The FTP Client Configuration dialog appears. 4. Enter the IP Address and port of the remote FTP Server. Also, enter the User ID and the Password needed to connect to the Server. You must type a password to enable the OK button. 5. Enter the Pick Up and Drop Off directory. These directories are located on the remote FTP Server which must be reachable when logged on to the Server using the User ID and Password entered in step 4. MassTransit retrieves files from the Pick Up directory and places them in your Received folder. Files you put in your To Send folder are placed in the Drop Off directory on the remote FTP Server. Note You can hide the contents of the Drop Off directory from contacts connecting to the MassTransit FTP Server which makes the Drop Off folder a write-only drop box. Edit the FTP Server settings in the masstransit.cfg file, located in the Extras folder in the MassTransit folder. Change false to true as follows: HIDE_DROP_OFF_FOLDER_CONTENTS = TRUE Note You must restart the MassTransit Engine and the MassTransit Administrator for the changes to take effect. 6. For Connection Options, if you wish to connect using the passive mode, place a check in the checkbox Use Passive Mode When Transferring files. In the FTP passive mode, the client initiates the connections to the server thus solving the problem of firewalls filtering. 8. If you are sending files which will be used by other Macintosh contacts, click the File Processing checkbox to encode files using MacBinary when sending. MacBinary is a format which creates one binary file from all of the information in a Macintosh file. When you use MacBinary, Macintosh files are protected so they do not lose information needed to open them on a Macintosh. MacBinary allows you to store Macintosh files on a non-macintosh system such as Windows until they can be retrieved and used on a Macintosh. 9. Click OK to save the communication method for your Client. MassTransit Server Manual Page 45

46 Communications 46 Incoming calls using FTP Client MassTransit periodically checks the FTP Server for files. When files are present in a From folder, MassTransit pretends it receives a call to receive the files. Follow these steps to configure how MassTransit polls the FTP folder looking for files. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add to add a communication method. 3. Choose the FTP Client from the Method menu. The FTP Client dialog box appears. 4. Set how often MassTransit polls the FTP Server for files. 5. Set the number of minutes delay before MassTransit begins downloading files. This allows MassTransit to check to see if files are completely copied to the FTP server before downloading. If MassTransit downloads incomplete files, increase the delay time to assure that only complete files are being downloaded. The next time MassTransit checks the site, it downloads any files that were left behind. 6. If you want MassTransit to create a text file of FTP command and responses, place a check in the Generate transcript of FTP server commands and responses checkbox. Normally, leave this unchecked for maximum performance. 7. Click OK. WAM!NET MassTransit supports connections with WAM!NET by allowing you to transfer files to and receive files from a contact who is using WAM!NET. You can do all file transfers from MassTransit, and retain the log and notification features of MassTransit without requiring the other contact to change programs. To connect with someone on the WAM!NET network, you must have access to a WAM!NET NAD at your facility. Before setting up communication methods, mount the WAM!NET volume on your desktop. On Windows, use the Hot folder communication method to work with WAM!NET contacts. On the Macintosh, you can use the Hot folder or WAM!NET communication method. Note When you send files through a non-masstransit program, your throughput is controlled by that program and transfer times may be different. MassTransit Server Manual Page 46

47 Communications 47 WAM!NET naming rules When you use WAM!NET to send or receive files, you must name files using WAM!NET rules. WAM!NET does not transfer files with invalid filenames. Check the WAM!NET user manual for information. Using Hot Folders on Windows and Macintosh You can set up MassTransit to transfer files with WAM!NET using the Hot Folder communication method on Windows or Macintosh by selecting the WAM!NET folders as MassTransit hot folders. On Macintosh or Windows, choose Hot Folders as the Outgoing Calls method when you are adding or editing a contact entry in the Contacts window. For Hot Folders, you need To, From and Staging folder for each contact. Use the WAM!NET To and From folders on the WAM!NET NAD for a contact; you must create a staging folder for each contact on the NAD. If MassTransit copies files to the WAM!NET To folder, WAM!NET sometimes starts to send the files too early, or breaks the job apart. By using a staging folder, this problem is avoided. 1. Create a staging folder for the contact on the WAM!NET NAD. This is where files are copied initially. Then, they are moved to the To folder. 2. On the Outgoing Calls tab in the Contacts window, choose Hot Folder from the Method menu. The Hot Folder Configuration dialog appears. 3. Choose the Staging folder you created and the To, and From folders from WAM!NET corresponding folder. 4. For Options, uncheck the checkbox if you want MassTransit to place files directly into the To folder rather than in a uniquelynamed folder. If you do not let MassTransit create such folders, WAM!NET may have problems. 5. Click OK. MassTransit checks these folders and retrieves files and sends files to the folder to be picked up. Receiving files When you receive files from a contact using WAM!NET, they are placed in a separate folder in your Received folder. This non-masstransit Transfers folder is created automatically and is set up to receive non-masstransit files. MassTransit Server Manual Page 47

48 WAM!NET using a Macintosh Communications 48 If you have allowed the contact to replace files (see Setting privileges for transferring files on page 58) a folder is created in the non-masstransit Transfers folder each time the other contact transfers files. If you have not allowed the Client to replace files, a folder is created for each transfer. On a Macintosh, MassTransit lets you connect to another contact by choosing WAM!NET as a communication method and using the WAM!NET network to import names from the WAM!NET Address Book automatically. Incoming calls using WAM!NET on a Macintosh Follow the steps below to choose WAM!NET as an Incoming Calls method. 1. In the Setup window, select the Incoming Calls tab. 2. Click Add to add WAM!NET to the list or highlight WAM!NET and click Configure. If you are editing the method, you go directly to the configuration dialog box. 3. If you are adding a new method, choose WAM!NET from the Method menu. 4. If necessary, locate the WAM!NET volume. Click OK. The Add Incoming Call Method dialog box appears. 5. Leave the check in the checkbox for Periodically Check for Files. 6. Click OK. Outgoing calls using WAM!NET on a Macintosh To add a WAM!NET contact, follow these steps. To import the whole list of WAM!NET contacts into the MassTransit Contacts window rather than adding each one, see below for instructions. 1. In the Contacts window, click Add to add a new contact. In the Contact Information window, select the Outgoing Calls tab. 2. Choose WAM!NET from the Communication Method menu. The WAM!NET dialog box appears. MassTransit Server Manual Page 48

49 Communications Locate the correct volume. 4. Highlight the contact to connect with and click OK. Importing WAM!NET users You can import users from the WAM!NET volume directly into your Contacts window. Mount the WAM!NET volume on your desktop before following these steps. 1. Choose Import WAM!NET users from the File menu. 2. Locate the WAM!NET volume. The users are added to your Contacts window. 4. Click OK. Forwarding files through a MassTransit Enterprise Server A MassTransit Enterprise Server acts as a central server that is able to forward files to others on a corporate or other network and to remote customers. Other MassTransit Servers Satellite, Professional, and Enterprise can forward files through an Enterprise Server using a Forward To folder assuming the following: (1) you are an Enterprise Server Contact and (2) in the case of a Satellite Server, the Enterprise Server is their Server. A MassTransit Server using MassTransit 3.6 or greater can forward files through an Enterprise Server. Forwarding files If you own MassTransit Enterprise, any contact in your Contacts window can forward files to any other contact in your Contacts window. If you own any version of MassTransit, you can set up forwarding through other Enterprise servers either from your Contacts window or by creating Forward To folders. To forward files, follow these steps. 1. In the Contacts window, click Add or Edit a contact. 2. Verify the contact s name. The entry must contain the exact name of a contact listed in the Contacts window of the Enterprise Server through whom you are sending the files. 3. From the Outgoing Calls tab, choose Forward Via from the Outgoing Calls Method menu. MassTransit Server Manual Page 49

50 Communications Choose the name of the MassTransit Enterprise Server through whom you want to forward files and click OK. When you save the entry, it is listed in the Contacts window. Folders are automatically created for sending and receiving files at all MassTransit sites. Triggers for sending forwarded files The first time a contact receives a forwarded file, MassTransit creates a new contact in the Contacts window for the sender with the Forward Via communication method selected. Note You can add a forwarding entry for an unlimited number of Professional and Enterprise Servers. However, a forwarding Client or Satellite Server counts toward the total number in your Contacts window. You cannot set triggers for forwarded files. If you do not connect manually to the MassTransit Enterprise Server to transfer the files, two sets of triggers affect the forwarded files: (1) the triggers such as time of day, or number of files which trigger the transfer of files you set for the Enterprise Server in your Contacts window and (2) the triggers in the Enterprise Server s Contacts window for the contact to whom you are forwarding files. For more information on triggering calls, see page 61. Folders created for forwarding The first time a contact receives forwarded files, MassTransit creates a Forwarded From folder in their Received folder so they can see who sent the files. Multihopping Multihopping occurs when a MassTransit Enterprise Server the middleman who forwards files to others transfers files to others. Once forwarded files are picked up, they are moved from the To Be Forwarded folder to the corresponding Sent folder. You, and anyone in your Contacts window can forward files through multiple Enterprise servers to a final recipient who is an entry in another Enterprise server s Contact window; this entry can be another Enterprise server, a Professional server, a Satellite Server, a Web Client, or a Hot Folder contact. For example, you, Server A, may have a Web Client, ABC Printers, who needs to send files to a Web Client of Server C s named XYZ Graphics. The files must go through Server B to get to Server C. Follow these steps to create a path for files your Web Client sends. 1. Server A creates a Contact for XYZ Graphics. Make the entry type a Server. For Outgoing Calls, choose Forward via Server B. 2. Server B creates a Contact for XYZ Graphics and chooses Forward via Server C as the outgoing calls method. The files may travel through multiple servers as long as each server creates an entry for XYZ Graphics and forwards them to another server. MassTransit Server Manual Page 50

51 Communications Next, give privileges to your Web Client, ABC Printers, to send files to XYZ Graphics. When creating or editing the Web Client, go to Remote Mailbox Privileges on the Security tab. Use the Add menu to select XYZ Graphics; this allows the Web Client to send files to XYZ Graphics. For more information, see step 5 in the section Adding a new Web Client on an Enterprise Server on page Lastly, your Web Client, ABC Printers, connects to you, selects XYZ Graphics from the Send To menu, and sends files. On your Contacts window, the XYZ Graphics entry shows that there are files to send so MassTransit connects to Server B and sends the files destined for XYZ Graphics. Server B forwards the files to Server C; Server C forwards the files to Server C. On Server C, MassTransit puts the received files in the To Be Forwarded folder for XYZ Graphics indicating that the files originally came from ABC Printer. 5. XYZ Graphics picks up the files. Using Forward To folders for forwarding As an alternative to the Forward Via communication method, you can create a Forward To folder for a contact in a MassTransit Enterprise Server. 1. Create a Forward To folder in the appropriate To Send folder using the Macintosh Finder or Windows Explorer. Folders created for forwarding must contain the exact name of an entry listed in the Contacts window of a MassTransit Enterprise Server. The name itself (added to Forward To) must be twenty (20) characters or less. For example, if an entry in the Contacts window of an Enterprise Server through whom you are forwarding files is XYZ Printers the name of the Forward To folder must be Forward To XYZ Printers When MassTransit attempts to forward a file during a connection, if cannot find an exact match, an error message is sent to the Log. 2. Place files in the Forward To folder from the Macintosh Finder or Windows Explorer. MassTransit forwards the files when you manually connect or when the triggers are set to send files to that contact. Non-MassTransit to Server folders A contact using a Macintosh computer may be using some other means of sending files to MassTransit such as Hot Folders, FTP or WAM!NET. In this case, the contact forwarding the files creates, when appropriate, a Forward To folder in their From folder. The name used in the folders must be identical to a contact in the MassTransit Enterprise Server. Automatic Forwarding You can forward files to any other contact. You can use this feature for any contact but it is useful for an Application Client or Web Client who does not have direct access to the destination MassTransit server. If all files for Contact A (the sender) need to be forwarded to Contact B (the recipient) set Automatic Forwarding for that contact. Then, every time Contact A sends a file, it is forwarded to Contact B automatically. The forwarding is transparent; that is, the sender receives no information about the identity of the contact who finally receives the files. Note If you manually set up Forward To folders in the past, you won t have to do this now. To set up automatic forwarding, follow these steps. 1. In the Contacts window, click Add or Edit a contact. 52 2. Enter information for the contact and, on the General tab, place a checkbox in the Automatic Forwarding checkbox. If the Outgoing Calls communications method is Forward Via, this checkbox is disabled. Communications Select the name of the contact to whom you want the files forwarded to. All contacts in your Contacts window are displayed except the name of the contact you are configuring currently. You cannot select a Group as the recipient of an Automatic Forward. Files received from the contact you are configuring are sent to the contact whose name you select in this step. Setting up secure communications MassTransit Servers and Clients, including Web clients, may use the TCP/IP Secure communication method to provide data encryption, integrity and identification of the calling parties. This section describes this feature. Setting up secure connections with Secure Sockets Layer (SSL) Encrypting files Verifying the caller with certificates Setting administrative locks If you are sending files over a network, you can use security features of MassTransit to secure files from tampering or disclosure (encryption) and verify the contact with whom you are exchanging files (authentication). Security can be set up for TCP/IP connections including connections with Web Clients. Keep in mind that these security features provide safety but may slow the transfer process when your server is handling many connections simultaneously. MassTransit uses Secure Sockets Layer (SSL) to provide secure connections for TCP/IP. SSL provides authentication of callers, data encryption and message integrity. These three features keep your data secure while it is travelling across the Internet, and in addition, authenticates the identify of both contacts in the connection. SSL is used widely for secure connections, for example, when web browsers connect to web sites for online shopping or financial institutions. Encrypting Once you have set up MassTransit for secure connections, SSL works behind the scenes at the time a connection is requested. First, certificates are exchanged proving who each contact is for verification. Then, SSL checks to make sure the encryption level is agreed upon before exchanging files. This makes the connection secure. Normally, everything sent over a network including passwords and files are vulnerable to others who may read the files or intercept and change or destroy the files. When you choose the TCP/IP Secure communication method, MassTransit encrypts all transfers before sending them over a network and requires encrypted incoming information. Exporting encryption MassTransit products fall under the category of retail encryption items eligible for License Exception ENC. This means that they can be exported, and reexported, to government and non- government end-users alike in any country except, at the time of writing, Libya, Sudan, Iraq, Iran, Cuba, Syria, and North Korea. In addition, they may not be exported, or reexported, to any person, or entity, engaged in the development or use of nuclear weapons, guided missiles or chemical and biological weapons. It does not matter that the software has no utility in such activities. Finally, the Commerce and Defense Departments maintain lists of denied persons and specially designated nationals with whom United States persons may not trade. These lists are maintained on the Web. 53 Communications 53 Setting encryption levels Using SSL, MassTransit can encrypt files to one of three levels of strength. RC4-40, the lowest level of encryption; International transfers between or to other countries may be restricted to this level RC DES AES-128 AES-256 Incoming calls Use the Security tab of the Setup dialog to set up a TCP/IP Secure incoming call method. Using this method, you can set a minimum encryption level for data received from other MassTransit contacts who use TCP/IP Secure when communicating with you. MassTransit does not accept a connection encrypted to a lower level; a message is logged.. Outgoing calls You can choose a level of encryption for each contact in your Contacts window whose connection is secure. Those for whom you choose TCP/IP Secure as a communication method. See page 39. Web Clients for whom you set up a secure connection use TCP/IP Secure, as well. See page 78. Verifying the caller MassTransit uses SSL to provide a certificate to calling parties to verify who they are. In addition, the certificate provides a public/private key combination that allows files to be encrypted and decrypted. The certificate verifies that the contact communicating with you is not an imposter. MassTransit works with two types of certificates: 1) Self-generated by MassTransit itself (which is the default option), or 2) Certificates issued by a Certificate Authority (CA) such as VeriSign or Thawte. Using self-generated certificates allows you to avoid paying fees and maintenance issues. However, no one verifies that the certificate owner is who they claim to be. When you have a certificate, issued by a CA, they verify the identity of the other party you are about to connect to. You can buy a certificate from one of the well known Certificate Authorities, such as VeriSign or Thawte, or you can become your own CA and issue certificates for all the MassTransit servers within your organization. When a secure connection is selected, MassTransit verifies the certificate presented by each caller. When MassTransit provides your certificate to a remote contact, it contains your identity name and your public key. The remote MassTransit uses the public key contained in the certificate to encrypt files to be transferred. When you receive the encrypted file, MassTransit decrypts it using the private key. Since you are the only one who has the private key, you are the only one who can decrypt files. Using a MassTransit generated certificate You can choose to have MassTransit create a certificate for you. This certificate includes public and private keys for encrypting files. Creating your own certificates allows you to avoid fees and maintenance issues. However, no one \verifies that the certificate owner is who they claim to be and you may be susceptible to some forms of attacks that break encryption called man-in-themiddle attacks. Using your own Certificate Authority You can create your own certificate authority using the OpenSSL Toolkit. Creating your own authority allows you to avoid paying fees. For more information and detailed instructions on how to create your own authority, go to the website Using a Trusted Root Certificate Authority Trusted Certificate Authorities (CA) verify that the information in a certificate accurately represents who it claims to represent. They charge to provide a certificate, usually by the year. Usually, you contact a CA at their web site and request a certificate. Two popular CAs issuing certificates are VeriSign and Thawte. You may look at their web sites for more information at www. verisign.com and MassTransit Server Manual Page 53

54 Communications 54 To set up MassTransit to use a trusted root Certificate Authority (CA), read these steps which provide an overview, then, see the next sections for detailed instruction. 1. Create a Certificate Signing Request (CSR) using the Certificate Generation program that comes with MassTransit. See instructions below. Do this before you request a certificate online. You paste this text into the request. 2. Obtain a certificate online by contacting the Trusted Root CA you wish to use and requesting a certificate. 3. The CA sends you the certificate which you make available to MassTransit. 4. Obtain certificates of the trusted root authority used by your contacts using TCP/IP Secure. These certificates allow you to verify callers. MassTransit comes with many of these certificates. Others can be downloaded from the CAs web site. Generating a Certificate Signing Request Before setting up MassTransit to use a certificate, generate a Certificate Signing Request (CSR) to give to the Certificate Authority when asked. Later, when you request a certificate online, you copy and paste the text generated. To create a CSR, follow these steps. 1. Open the CSR Generator program located in the MassTransit: Security: CSR Generator folder. 2. Enter a pass phrase for the private key. You will be asked to enter this pass phrase in MassTransit when setting up your certificate and later to authorize use of your private key. So keep the pass phrase in a safe place. Protect it from unauthorized use. 3. Type the remaining information. Give information about the following and press return to go to the next line: Your Country (use a two letter code; e.g.. US) Your State (do not abbreviate) Your Locality Your Organization name Your Organizational Unit Your Common Name (see note below) Your Address Note Remember the Common Name you type here. When another server adds your name to their Contacts window, they choose TCP/ IP Secure as the Outgoing Calls communication method. In the TCP/IP Secure Outgoing Calls dialog, they must type the exact Common Name you enter here for your Certificate. Matching the names is part of the authentication process when they connect. 55 Later, you can see the Common Name by viewing your certificate. See Setting up MassTransit to use a certificate on page 54. Communications Enter extra attributes, if you wish, including a challenge password and an optional company name. Press return. The CSR generator produces a file called mt_cert_req.pem to use when applying for a certificate. In addition, it produces a private key file names mt_private_key.pem. This file is encrypted with the PEM pass phrase you typed at the beginning of the generating process. Protect this key from others. Obtaining a certificate from a Certificate Authority (CA) To get a certificate, go to the CAs web site (for example, or and request a certificate. Depending on your provider, you may apply in a different way. 1. Generate a Certificate Signing Request as described in the previous section. 2. Request a certificate online from the CA of your choice. When requested, copy and paste the CSR or mt_cert_req.pem text from a text editor. Do not use a word-processing program which might add extraneous formatting. 3. The CA sends the certificate to you. The Certificate Authority sends you two files: a certificate file which contains a public key and a private key file. You may place the files in the MassTransit Security folder for ease in locating them when you set up MassTransit. Requiring a certificate When you add or edit contacts to the Contacts window, you can require that they provide a certificate before a connection can be made. Follow these steps to require a certificate. 1. Open the Contacts window. 2. Click Add to add a new contact to the list or Edit to modify an existing entry. The General tab of the Contact Information dialog box appears. 3. On the Security tab, to require a certificate, select the checkbox Require a Verified Certificate From User. For Web Clients place a check in the checkbox Use Secure Connection To Transfer Files. Once you require a certificate, MassTransit does not allow a connection unless the caller has set up a certificate. Setting up MassTransit to use a certificate MassTransit uses the certificate to verify who you are when you connect. To set up certificate information, follow these steps. 1. In the Setup window, select the Security tab. On the Macintosh, select the SSL Certificates tab. MassTransit Server Manual Page 55

56 Communications For SSL Certificate, select either Automatically generate SSL certificate or Use certificate issued by Certificate Authority. If you choose to have MassTransit generate the SSL certificate, MassTransit creates a private key, creates a certificate request, and then signs the certificate request creating the certificate. The pass phrase for the private key file is automatically generated. You can skip the remainder of the steps. Note This does not guarantee your identity to remote contacts. 3. If you choose to use a certificate issued by a certificate authority, either a trusted root Certificate Authority or your own certificate authority, click Choose to locate the private key file. This is the private key generated by the CSR program. See page 53 for information about creating the private key. 4. If you wish, place a check in the Save pass phrase for private key, then type the pass phrase in the text box to the right. This saves the pass phrase on disk. If you do not save the pass phrase, you are prompted for it every time MassTransit starts. 5. Click Choose to locate the Certificate. This is the certificate you received from your CA. 6. If you wish, click View to view the Certificate. When you view the certificate, you see the Common Name assigned to the certificate. This Common Name is the name that must be specified by a server calling you in the TCP/IP Secure Outgoing Calls dialog. (See page 39.) 7. After finding out the names of the Certificate Authorities your remote contacts are using, check to make sure the Trusted Root Certificate Authorities certificates include these names. On the Macintosh, select the Root CA Certificates tab. When you connect using a secure connection, MassTransit checks the remote contact s certificate using a certificate provided for that purpose by the remote contact s Certificate Authority. MassTransit comes with a number of the more common trusted root CAs. You may have to download a certificate from the remote contact s CA website and import it into MassTransit if it is not included. 8. If the CA for your remote s contacts certificate is not on the Trusted Root Certificate Authorities list, click Import to import a certificate you have previously obtained either from a CAs web site or elsewhere. The CA is added to the list. 9. Highlight the certificate and click Remove if you no longer want the name on the list. The certificate is removed but is not deleted from your computer. 57 Chapter Three: Transferring files Once you have created your contacts and configured your communication methods, you are ready to transfer files. After you receive and process files, you may want to send them back to another contact in electronic form for further work, proofing, comment, approval, printing, or other purposes. For example, you might send low-resolution images to a designer for use as placeholders in a desktop-publishing application. Or you may need to send files to another contact for additional work. MassTransit makes this task easy and automatic. This chapter explains the following: Transferring files Viewing file transfers * Sending files and setting priorities for sending files Working with files you receive and processing files Transferring files There are two ways to transfer files. You can configure MassTransit to wait for incoming calls passively, or you can actively make a connection. In either case, all files designated for sending from either contact are transferred. To send files to others, you must designate one or more files for transmission and you and the contact must set the necessary options and privileges. For example, a contact must enable the Receive Files From User option before transmitting files to that contact. In addition, if you initiate the transmission of files to the contact, the contact must have enabled the Answer Incoming Calls option for the method you are calling. When a connection is made to a remote MassTransit contact, if either of you has designated files to send to the other, the files are transferred and the connection ends. You can watch the transfer of files on the Status Window. Setting up communications All versions of MassTransit need to know the communication methods used by the remote contact. If you have not already set up communications for yourself and the contact, follow the instructions in Setting Up Communications starting on page 34. Transferring files over multiple streams You can send multiple streams between servers Enterprise or Professional. Enterprise and Professional can use an unlimited number of connections. Files transfer immediately without queueing behind others sent previously. Therefore, smaller files that you send after sending large files in a previous transfer may arrive first. See page 37 for instructions. Transferring files automatically You can instruct a remote contact to configure MassTransit to transmit files to you at a specific time of day or at specific intervals. If you want the others to be able to initiate the connection, you must instruct MassTransit to listen for incoming calls on the required communication method. See page 65 for information about triggers for sending files and page for information about receiving calls. Conversely, if you want to initiate the connection yourself, others must set up their software to listen for incoming calls. You can manually initiate the connection yourself whenever you want. If the contact has designated files to send and each of you has set the proper privileges, all files designated for sending (by either party, in either direction) are transferred when you make the connection. For more information on the required settings and privileges, see Setting privileges for transferring files on the next page.

58 Transferring Files 58 Transferring files manually To connect to a contact manually, follow these steps. In the Contacts window, select a contact and click Connect. Whether any files are transmitted depends on the options and privileges you and the others have set for each other. For example, a remote Server must have selected the Send Files to User option in the Contact Info dialog box. To set or edit remote contact privileges, follow these steps. 1. In the Contacts window, click Add or Edit a contact. 2. In the Security tab, select the privileges you want the contact to have, then click OK to close the Contact Information dialog. Setting privileges for transferring files For all contacts, you can assign specific privileges, as explained here; see page 29 for more information on setting privileges. Accept Calls From User lets remote contacts make a connection to your system. Receive Files From User automatically transfers to your mailbox any files the contact has designated for sending whenever a connection is made. Send Files To User automatically sends files designated for sending each time a connection is made. Allow User To Replace Files automatically overwrites files of the same name in the contact s Received folder during file transfer. See Handling Duplicate Filenames in the next section for more information. Automatically Process Received Files starts processing files received from others for a service as soon as the connection in which the files arrive completes. Replace Invalid Characters in File Names for Windows, permanently converts filenames from Macintosh computers that have invalid characters by substituting dashes (-) for invalid characters. See Correcting for Windows and Macintosh Filename Differences on the next page for more information. Compress Files During Transfer compresses files during the transfer process. Use Timestamp Folder When Receiving (TCP/IP connections only) places files received from a contact in a new folder for each transfer; the folder is named with the date and time. By default, MassTransit does not overwrite a file you are receiving when there is a file with an identical name already in your Received folder. Instead, the file is not sent and a message appears in your Log and in the Log of the contact sending the file to you. For information about the Log, see Chapter Six, Tracking Job Information starting on page 84. Using an Link to Pick Up Files When you send files to other people, MassTransit can notify them by and include a clickable Active Link that will log them into the MassTransit site automatically. For recipients who do not have MassTransit accounts, you can just specify their address and MassTransit will create a temporary account. Then they can download the files using FTP or the MassTransit Web Client. Note Be aware that security on the one-time passkey assumes that the is not intercepted in transmission. Use notification for contacts that are manually created for example for a one-off user or for On Demand Accounts created automatically from Active Directory. For information on setting up notification, see page 91 of this manual and grouplogic.com/knowledge/index.cfm/fuseaction/view/docid/336 online. MassTransit Server Manual Page 58

59 Handling Duplicate Filenames Transferring Files 59 You may want MassTransit to overwrite a file with one of the same name, for example, because you are receiving a new version of a file. To make MassTransit overwrite files in your Received folder, you must set Privileges for this purpose on the Security tab (see the previous section). To let a selected contact overwrite files in your Received folder, check Allow User to Replace Files. To prevent that contact from overwriting files, deselect the option. Note Someone may send you two or more files in the same transfer with identical names. The first file you receive overwrites the file in your Received folder. MassTransit does not send the second file. Instead, MassTransit places a note in your Log and the Log of the sender explaining why the file was not sent. Correcting for Windows and Macintosh Filename Differences If you are using a Macintosh computer to send files to a hard drive formatted for the FAT file system with either Windows 2000, Windows Server 2003, or Windows XP, you should create filenames which comply with the Windows naming rules. However, MassTransit for Windows recognizes filenames which are invalid and can change them into valid filenames if you check the privilege Accept Invalid File Names. This is true no matter which version of MassTransit for Macintosh you are using. An alternative is if you use Windows 2000, 2003, or XP with a hard drive formatted for NTFS. MassTransit can store the illegal characters on the hard drive. These can be used to maintain the illegal characters when they are on the Windows machine and, then, can be sent to Macintosh clients. Creating valid filenames To create filenames that are valid on a Windows computer, use any letters or numbers, but check for the validity of symbols. Windows filenames cannot end with a space or a period (.). To correct invalid file names from a selected contact, follow the steps above for changing Privileges and check Accept Invalid File Names. To have MassTransit reject files with invalid characters, turn this option off. Note If you have one or more filenames that are similar except for invalid characters, substituting dashes in the filenames may result in identical filenames when the files are received on a Windows MassTransit Server. In this case, MassTransit only sends the first file. Your log and your MassTransit Server s log explain why the other files were not sent. Keeping track of total bytes received and sent MassTransit keeps a running total of the number of bytes received and sent. These two values are available using AppleScript and COM interfaces. You can see the sum of the two values bytes sent plus bytes received on the About dialog. These values are stored in the Preferences table of the MassTransit database. Sending multiple files and large files in a single transfer MassTransit has no real limitations in total size or number of files sent or received. In addition, MassTransit keeps a running total of the number of bytes sent and received. MassTransit can send a large number of gigabytes in a single transfer. MassTransit can send an almost unlimited number of files in a single transfer. The limit is 16,384 files in each direction during one transfer. Performing Cyclic Redundancy Checks MassTransit performs Cyclic Redundancy Checks (CRC) for TCP/IP and TCP/IP Secure transfers. While normally not necessary when transferring data over reliable protocols such as TCP/IP, CRC error checking allows MassTransit to detect file corruption problems and alert the contact. In some cases faulty network connections or hard disk drivers have been known to cause data corruption. MassTransit Server Manual Page 59

60 Transferring Files 60 MassTransit displays the transfer s progress on the Status Window. During transfers with two or more connections, MassTransit Enterprise and Professional users can view and adjust the percentage of the bandwidth available for each connection if bandwidth throttling is enabled. Viewing the Transfer Process You set up services for received files so they are automatically processed by a number of applications or directed to a printer, drop folder, or script after you receive them. See Configuring a Service starting on page 73. The Status window displays which files are being processed. In addition, you can see a list of files received in the Files window and can change the processing order of files there. Using the Status Window To see the status of file transfers, follow these steps. Open the Status window. The Status window appears and displays the current active connections. MassTransit Enterprise and Professional provide a throttle for controlling bandwidth use during transfers. The throttle is a feature of the MassTransit Enterprise Server. Throttle settings can be controlled using COM and AppleScript; see the Scripting MassTransit PDF which is in the MassTransit folder. Using the throttle to control bandwidth with an Enterprise or Professional Server The MassTransit throttle can be used while sending files for two purposes. (1) While transferring files with two or more connections, you can allow some connections to use a greater percentage of the available bandwidth. The throttle can be turned on or off at any time. (2) You can restrict the amount of your total bandwidth that MassTransit can use. This allows you to save adequate bandwidth for other uses. Adjusting the bandwidth for a connection MassTransit Enterprise users see the bandwidth equally divided among the current connections. If one transfer is completed, the available bandwidth increases for the still active connections. You can boost the bandwidth for a connection for faster transfer time for that connection. You see the greatest effect when you boost the percentage of bandwidth for one connection. 1. From the Status window, MassTransit Enterprise users can increase the bandwidth available for one connection by clicking on a connection. A box surrounds the connection information showing that it is selected. The button to adjust the throttle appears in the selected connection only when there are two or more connections. 61 Transferring Files To change bandwidth use during an active connection, follow these steps, click the Expected Throughput button. The menu appears. 3. Drag to the percent of the bandwidth you would like to assign to the transfers over that connection. That connection is assigned the percent of throughput you choose; the other connections are automatically assigned less bandwidth. You may change the percentage of the bandwidth for more than one connection. However, you see the greatest effect when you boost the percentage of bandwidth for one connection. Setting the bandwidth devoted to MassTransit On the Outgoing Calls tab of the Setup window, you can set the amount of bandwidth you want devoted to the use of MassTransit. If you do not restrict the bandwidth available, MassTransit tries to use all of the available bandwidth when transferring files. To set bandwidth restrictions, follow these steps. 1. From the Setup window, select the Outgoing Calls tab. Use the TCP/IP Bandwidth Throttling section. 2. If you want to use throttling, place a check in the Throttle TCP/IP Connections checkbox. 3. Type the number of Kilobytes per minute of your total bandwidth you want to limit MassTransit to. 4. Click Save to save the changes. While connected to a contact, you can terminate that connection at any time. This is useful, for example, if a large file is tying up your line. Cancelling a connection When a transmission is interrupted, whether manually or by accident, any files that were successfully transmitted are no longer designated for sending. Files not completely transferred do not appear in the Received folder or in the Files Received section of the Files window. Unless you or the contact make any changes in settings, the remaining unsent files (including the interrupted file) will be transmitted the next time a connection is made. For information on ways to designate files for sending, see Sending Files Automatically on page 65 and Sending Files Manually on page 66. To cancel a connection, follow these steps. In the Status window, select a connection and click Disconnect. MassTransit Server Manual Page 61

62 Transferring Files 62 Setting up to send files To send files to others, you must designate one or more files for transmission and you and the contact must set the necessary options and privileges. For example, a contact must have the Receive Files From User option enabled before you can transmit files to that contact. In addition, if you initiate the transmission of files to the contact, the contact must have enabled the Answer Incoming Calls option for the method you are calling. By default, both of these are selected. For more information, see Setting privileges for transferring files on page 58. To set up to send files, follow these steps. 1. In the Contacts window, select a contact from the list and click Edit. 2. On the Setup tab, make sure the Send Files To User option is selected in the General Privileges. It is selected by default when a contact is created. 3. Click Save, if necessary. 4. Repeat steps 2 and 4 for each contact to whom you want to send files. To let others make a connection, follow these steps. 1. In the Status window, make sure the communications method you are using is set to wait for incoming calls. 2. If the message Idle is displayed, click the communications method, and then click Start Listening. 3. Close the Status window. Designating files to send Before you can send files, you must let MassTransit know which files you want to send. There are a number of ways to do this. Drag a file from the Macintosh Finder or the Windows Explorer onto the name of the contact in the Contacts window to whom you want to send the file. Use the Macintosh Finder or the Windows Explorer to drag files to the To Send folder (or its alias or shortcut) within the contact mailbox folder this is useful if you use the mailbox folders as part of your normal file management scheme because it keeps the files in one easy- to-find location on your system. From the To Send tab in the Files window, use the Add button to designate files to send this is useful if you prefer to manage files without using the contact mailbox folder and it is handy if you want to send a file located on a network drive and you don t wish to copy it to the mailbox folder on your local system. Drag a file from the Macintosh Finder or the Windows Explorer into the Files window To Send tab. You may drag an alias or shortcut of a file or a folder. Mass- Transit sends the file or folder contents which may include other folders and files. You may use an action event right after files are added to be sent but before they are actually sent. When the event is triggered and you are notified, you can change which files are sent and also the order in which they are sent. For information about actions, see page 88 in Chapter 6. 63 Transferring Files 63 Note The files you put in the To Send folder appear in the To Send list in the Files window. However, files you add to this list using the Add button do not appear in the To Send folder of the contact mailbox folder in the Macintosh Finder or the Windows Explorer. After you have designated files to send to another contact, you may choose to have MassTransit send files automatically according to criteria you set up, or to manually connect to send files. When there are two or more files to send during a connection, MassTransit sends the smallest files first. The larger files are sent last. Designating files to send by dragging to the Contacts window To designate files to send using the Contacts window, use the Macintosh Finder or the Windows Explorer to drag files or folders (or their aliases or shortcuts) onto the name of the contact to whom you want to send the file. Designating files to send by dragging to a mailbox To designate files to send using a contact s mailbox folder, from the Macintosh Finder or Windows Explorer, drag files or folders (or their aliases) into the To Send folder in the mailbox folder. Rather than dragging files into the To Send folder directly, you can make an alias of the folder and drag files there. Designating files to send using the Files window Add Files button To designate files to send using the Files window Add Files button, follow these steps. 1. In the Files window, display the To Send tab. In addition, you may open the Files window from the Contacts window by clicking the Files button. 2. Select a contact from the User Filter menu. 3. Click Add Files. 4. Locate the file or files you want to send. Select one and click Add. Repeat for more files. Click Add All to send all files in the currently displayed folder. 5. If you decide that a file you added should not be sent to the contact, select it and click Remove. 6. Click Finish (Windows) or Choose (Macintosh). Designating files to send by dragging to the File window To Send tab To designate files to send using the To Send tab in the Files window, use the Macintosh Finder or the Windows Explorer to drag files into the To Send tab. 1. In the Files window, display the To Send tab. In addition, you may open the Files window from the Contacts window by clicking the Files button. 2. Select a contact from the User Filter menu. 64 Transferring Files Drag a file from the Macintosh Finder or the Windows Explorer into the To Send tab of the Files window. If the file does not stay in the window, it is in a format that MassTransit cannot send. 4. On the Macintosh, if you have one contact selected in the User filter menu, the file is added to the To Send list. If you have selected All contacts, the Select Users dialog box appears when you release the mouse. If necessary, highlight the name of the remote contact you want to send the file to. Press Shift and click to select multiple nonadjacent contact. You can also press Command (Macintosh) and click to deselect an individual contact. To select all, choose Select All on the Edit menu, or press Command A (Macintosh). 5. Click OK. Notifying a Contact that files are ready for pickup You can set up a MassTransit Action to send an to a web contact notifying them that you have sent files for pickup. If you are sending files to a web client, you can include in the a clickable link to the Pickup tab for easy download. You can include an passkey in the which allows the user to connect to the web site automatically, without having to enter their name and password. See Notification on page 91 of this manual for more information on setting up this action. Removing a file s To Send status To remove a file from the list of files waiting to be sent, follow these steps. 1. In the Files window, display the To Send tab. In addition, you may open the Files window from the Contacts window by clicking the Files button. 2. If you wish to narrow the list for easier selection, select a contact from the User Filter menu. 3. Select the file you no longer want to send in the Files window s To Send list. Press Shift and click to multiple nonadjacent files. You can also press Command (Macintosh) or Control (Windows) and click to deselect an individual file. To select all, choose Select All on the Edit menu, or press Command A (Macintosh) or Control A (Windows). 4. Click Remove. MassTransit Server Manual Page 64

65 Transferring Files 65 If the file you are removing is in the To Send folder, you are prompted whether to move the file to the Trash or, if you are on a network volume, delete the file immediately. Click Cancel to prevent the file from being moved to the trash or deleted. If the file you are removing was not in the To Send folder, clicking Remove takes it out of the list of files waiting to be sent, but the file itself remains in its original location. Adding a job ticket MassTransit includes an electronic job ticket that lets you and remote contact send detailed information on transferred files. You can create a new job ticket for any file you plan to send. You add a job ticket to a file before sending it. The Web Client has a special HTML job ticket; you must tell MassTransit to use one when you set up the Web client entry in the Contact window. See page 25 in the Web Client section. To create a job ticket for a file, follow these steps. 1. Designate a file to send. See Designating Files to Send on page Open the Files window. 3. Click the To Send tab. From the User Filter menu, select the name of the contact to whose files you wish to add a Job Ticket. 4. Select a file and click the Job Ticket button (Macintosh) or the Add button (Windows). 5. If this is the first time you are creating a job ticket for a contact, fill out the job ticket entries that you want to appear on every job ticket. Choose Save As Default Job Ticket on the Edit menu. For example, you can list the contact s name and address. The next time you create a Job Ticket, the information you entered here appears automatically. 6. Fill out the remaining job ticket entries and click Save. See the following sections for information about options. Note On the Macintosh, using Actions and AppleScripts, you can add and fill out job tickets automatically. See Performing Actions on page Choose Clear Job Ticket Fields on the Edit menu to clear all fields in the ticket if required. Sending files automatically You can automate sending files to each contact by setting transmission options or triggers. With these options, files designated for sending are transmitted at regular intervals, at specific times, or when the folder contains a designated number of files. See the steps on the next page. Your options are as follows. When Number of Files to Send Is <Number> starts sending files based on the number of files designated for sending. For more information, See Designating Files to Send on page 62. Every <Number> <Unit of Time> starts sending files at the regular intervals (minutes, hours, or days) you specify. If you use the Day(s) interval, MassTransit sends files at the same time on every designated day. The time of day is determined by the first time you send files. Every Day At <Time> starts sending files at the specific time you specify each day. If you select more than one of these criteria, MassTransit starts sending files as soon as any one of the criteria is fulfilled. MassTransit Server Manual Page 65

66 Transferring Files 66 You can set up a MassTransit action which warns you when files are about to be sent and gives you an opportunity to make changes to the list. See page 88 for more information. To transmit files automatically, the contact to whom you are sending files must set up MassTransit to accept files and receive calls from you. If the contact doesn t want to have his or her system waiting for calls constantly, it may be necessary to have the contact initiate the transmission. For more information, see Sending Files Passively on page 67. Any time you are connected a contact, the Status window shows the progress of transmissions. For information on cancelling a transmission in progress, see Cancelling a Connection on page 61. To set up to send files automatically, follow these steps. 1. In the Contacts window, select the name of a contact and click Edit. Select the Outgoing Calls tab. 2. Select preferences for when to send files. To start sending based on the number of files in the To Send folder, select When Number of Files to Send Is and type the preferred number. To start sending at regular intervals, select the second option, type a number, and select the unit of time: Minute(s), Hour(s), or Day(s). To start sending files at a specific time each day, select Every Day At and select a time from the menu. 3. If the system can t make a connection and you want MassTransit to automatically retry to establish the connection, use the After Errors, Retry in <Number> Minute(s) option to specify how long to wait between attempts. Use the Retry <Number> time(s) before giving up option to specify the number of attempts to make. Type zero if you don t want it to make more than one attempt to connect. Delay sending until you are ready You may want to delay the automatic sending of files for a few minutes. For example, you may set MassTransit to send files as soon as a single file is in the To Send folder. See above. If you are sending several files, MassTransit begins sending after the first one is in the folder. To avoid having MassTransit call while you are adding files, follow these steps. 1. In the Setup window, select the Outgoing Calls tab. 2. Place a check in the Wait checkbox and type a number of minutes. Remember, you need time to add files you want to send and attach job tickets also. MassTransit Server Manual Page 66

67 Transferring Files 67 Sending files manually If you prefer, you can send files manually to a contact at any time. To succeed, the contact to whom you are sending files must tell MassTransit to accept files and receive calls from you. Sending files manually from the Files window To send files to a contact manually using the Files window, follow these steps. 1. In the Files window, display the To Send tab. 2. In the User Filter menu, choose the name of the contact to whom you want to send files. If no files are listed, designate files to send. See Designating Files to Send on page Click Connect once files are designated for sending. Sending files manually from the Contacts window To send files to a contact manually using the Contacts window, follow these steps. 1. Designate what files you want to send. See Designating Files to Send on page In the Contacts window, highlight the name of the contact to whom you want to send files and click Connect once files have been added. The Status window shows the progress of the transmissions. For information on cancelling a transmission in progress, see Cancelling a Connection on page 61. Sending files passively If a contact doesn t want to have his or her system constantly waiting for calls, the contact can initiate the transmission. To succeed in transferring files, your system must be set up to accept calls from the contact, send files to the contact, and answer incoming calls. For more information, see Setting privileges for transferring files on page 58, Working with Received Files on page 70 and Setting Up Communications on page 34. In addition, the contact must be set up to receive files from you. To send files to a contact passively, designate which files you want to send. See Designating Files to Send on page 62. Let the remote contact know when files are available. The transmission will begin as soon as the contact connects to your system. Setting priorities for sending files with an Enterprise Server If you have MassTransit Enterprise, you can set priorities for sending files. By setting priorities for transferring files, you have greater control over the order in which files are sent. In addition to the call triggers for sending files when a certain number of files are waiting to be sent, at a particular time of day, or after a certain period of time has elapsed you can set priorities for sending files, as well. If you do not create and assign priorities, MassTransit assigns the default priority to files you send. You can set a new default. See page 68. You may have files which are more important to send than others. When you assign a priority to an important file, it is sent before others. If you are sending files at the same time to two or more people, MassTransit sends files in the order of the priorities you set. MassTransit Server Manual Page 67

68 Transferring Files 68 Defining priorities Before assigning priorities, define the priorities you want in the Priorities tab of the Setup window. 1. In the Setup window, click the Priorities tab. The Priorities tab appears with the default setting in bold. 2. To add a Priority, click Add. The Edit Priority dialog box appears. 3. Type a name for the priority level you are setting. 4. Choose a color. 5. Click the Priority Number button and type a priority number. Or click the Hold button to create a hold priority. To send files sooner, type a smaller number. To send files later, type a larger number. Files with this priority are not sent until you change their priority. In the Priorities tab of the Setup window you can create a new default priority. Highlight a Priority you have created and click the Make Default button. The Priority you selected becomes the default and is typed in bold text. Assigning priorities to files using the Files window Once you have created priorities, you can assign them to files listed in the Files Windows. Files that you do not assign a priority are given the default priority. To display the priority settings in the Files window, follow these steps. MassTransit Server Manual Page 68

In the Files window, display the To Send tab. Files you have designated for sending are listed in the Files window s To Send tab. In the Priority column, each file s priority is shown. 3. To change the priority status of a file, highlight it and choose a new priority from the Priority menu. When you choose to send files manually or wait for them to be sent using your preset call trigger, files are sent according to the priority displayed in the Files window. If another contact is sending files at the same time, files whose priorities are set higher are sent first. Creating priority folders from a contact s mailbox Once you have defined priorities, you can create a priority folder in a contact s mailbox, and then drag a file to that folder to send it quickly. You can create priority folders in two ways from the Contact Information Mailbox tab or from the Macintosh Finder or Windows Explorer. Files that you do not assign a priority are given the default priority. Creating priority folders from the Contacts window Create priority folders when you add a contact to your Contacts window, or edit an entry in your Contacts window. 1. In the Contacts window, click Add or Edit a contact. Then select the Mailbox tab. -OR- Select a contact and select the Reveal Mailbox button to access the To Send Mailbox. 70 Transferring Files To add a mailbox priority folder, use the Add menu to display a list of the priorities you entered in the Priorities tab of the Setup window. Use the menu to select the priority for which you want to create a folder. You can see the folders you create by opening the contact mailbox s To Send folder in the Macintosh Finder or Windows Explorer. 3. Add other priorities, as you wish. Use the Remove menu to remove priorities from the list. 4. Click Save. Only those priorities in the list have corresponding folders in the Mailbox folder. Creating priority folders from the Macintosh Finder or Windows Explorer You can create a priority folder in the Macintosh Finder or Windows Explorer. However, the folder does not appear on the list of assigned priorities in the Contact Information Mailbox tab. 1. In the Macintosh Finder or Windows Explorer, open a contact s mailbox and then the To Send folder OR Select a contact and select the Reveal Mailbox button to access the To Send Mailbox. 2. Create a new folder and name it for a priority you have created. You must type the word Priority followed by a hyphen and then the exact name of a priority. Priority-Name of Priority for example: Priority-Rush Once you have created priority folders in the contact mailbox s To Send folder, you can use these folders to send files and assign priorities. Assigning priorities from the Macintosh Finder or Windows Explorer To assign a priority to a file using the mailbox priority folders created, follow these steps. 1. Open the contact s mailbox then open the To Send folder to display the priority folders you have created. You may create aliases of these folders instead. 2. Drag a file into a To Send folder s priority folder to send the file at that priority. Hiding priority settings from others You may not wish to let your contacts see what priority was assigned to files being sent to them. If this is the case you can change MassTransit s behavior so that the priority folders are omitted from the Received folder. To modify MassTransit you will need a resource editor such as ResEdit or Resourcerer. Using either of those applications, follow these steps. 1. Open the MassTransit application. 2. Find resources of type pflg and edit # Change the setting to TRUE. 4. Select Save from the File menu. MassTransit Server Manual Page 70

71 Transferring Files 71 Working with Received Files Large numbers of files coming in from multiple contacts could quickly overwhelm you without a system for managing those files. MassTransit provides tools for listing what files you have received from your contacts and sorting them by various criteria: the Files window, and the Log window. The Log window is discussed in Chapter Six Tracking Job Information on page 84. Viewing files received from each contact The Received tab in Files window shows all files received from all contacts when the User Filter is set to All. Some files you receive will include detailed information from the contact in the form of a job ticket. For more information on job tickets, see About Job Tickets on page 8. To view a list of all files received from individual contacts, follow these steps. 1. In the Files window, select the Received tab. 2. Above the Received tab, choose the name of a contact in the User Filter menu. You can show files received from each contact individually. 3. To display jobs by processing status, select the status from the Status Filter. You can view jobs in the various processing categories such as which jobs are being processed or are queued. 4. Highlight a file and click Reveal in Finder (Macintosh) or Reveal in Explorer (Windows) to display the original file. 5. While a file name in your File window is highlighted, information is not updated. Click Resume to update the information or close the Files window and reopen it. MassTransit Server Manual Page 71

72 Transferring Files 72 Sorting files you have received To sort file lists by category, follow these steps. 1. In the Files window, select the Received tab 2. Click the column heading you want to serve as the basis for the sort. Click again to invert the list. Viewing the Job Ticket dialog box MassTransit includes an electronic job ticket that lets your contacts send you detailed information on the files they send, what kind of output they want, where to send it, and how to bill them. You can add information and modify any job ticket you attach to a file you plan to send to a contact. Even after saving its settings, you can reopen the job ticket and modify it as long as you have not yet sent its associated file. Once you transmit the file and its job ticket, however, you can no longer make changes to that ticket. Similarly, you cannot make changes to information in the job tickets attached to files you receive. The universal no symbol ( ) over the icon in the Job Ticket window indicates a job ticket that cannot be modified. Because job tickets include useful information about the files you process, you may want to preserve them for future reference. Job ticket information may be accessed using AppleScripts or Visual Basic scripts. Here are two examples of scripts which can be used as Actions: (1) A script can automatically enter job ticket information as files are added to the To Send folder. (2) A script can extract billing information as files are received to update an accounting system. To view the job ticket for a file, follow these steps. 1. Open the Files window. Any file in the list that displays a job ticket icon in the Job Ticket s Icon column has job ticket information associated with that file. 2. Select the name of a file from the list and click Job Ticket. If the Job Ticket button is grayed out no job ticket is associated with that file. MassTransit Server Manual Page 72

73 Processing Files at a remote computer Transferring Files 73 MassTransit lets you process files on remote computers and lets others process files on your system using Output To (or Print To) folders. This provides a remote proofing workflow in which, for example, the contact drags and drops a remote proof file such as PostScript, TIFF or PDF in a hot folder. MassTransit detects the file and automatically connects and transfers it to the appropriate server. The remote MassTransit Server receives files and prints the file on a proofer. The proofer outputs the proof for review. Configuring a service To set up services start by configuring services and, then, give contacts privileges to use the services. To configure the services with which files can be processed, follow these step 1. In the Setup window, go to the Services tab and click Add. 2. To find the Service you want to display on the Services list, use the Service menu. 3. Select a script, drop folder, or, if you are using Windows, a printer type or an application. A dialog box appears; the title reflects your choice. Windows LPR printer service 5. Click Choose or Browse to locate the service. 6. Give the service a custom name; place a check in the Use Custom Name checkbox and type a name. It is advantageous to use a custom name; if you use a custom name when you configure a service, you can change the service but use the original custom name. 7. Click OK to close the dialog box then click OK to close the New Service dialog box. The Service is listed in the Services Tab of the Setup window. 8. Highlight a service and choose disable, delete, or configure as needed. 9. Close the Setup window when you are finished. MassTransit Server Manual Page 73

74 Transferring Files 74 Giving a remote contact privileges for remote processing After setting up services, give remote contact s the privilege they need to use those services. 1. In the Contacts window, select a contact to whom you want to give automatic processing privileges, and click Edit. 2. Select the Security tab. 3. Select the Automatically Process Received Files option and click Save. How you and others use Output To folders You and your remote contacts can place files in Output To drop folders that you create in the To Send folders. You may call the folder Print To instead; the folder works the same with either name. You can send any type of file using an Output To folder. When MassTransit sends files to a remote site using the Output To folder, they are processed automatically if the Allow Process Received Files option is turned on; see page 58. Otherwise, they are placed in the queue but not automatically processed. Using aliases of Output To folders Create an alias of the Output To folder and place it on the desktop of other computers on your network. Anyone can drag a file in the folder for delivery to the remote contact. Some printers require a PostScript file for printing. Naming Output To folders Custom naming of services is important when others are using Output To (or Print To ) folders to send files to you. (1) You should reduce the length of a service s name so it fits in the 31 space limit for naming a folder. (2) It is not necessary to put the zone name after the service name when using a custom name. See Configuring a Service on page 73. Creating Output To folders You can create Output To folders from the Macintosh Finder or Windows Explorer or when you are entering or editing an entry in the Contacts window. From the Macintosh Finder or Windows Explorer To create an Output To folder, follow these steps. 1. In the Macintosh Finder or Internet Explorer, open the To Send folder of the remote contact. 2. Create a new folder. 3. Name the folder for the service you want to use; use the custom name if one has been assigned. Capitalize Output (or Print ) and To. For example, if the name of the remote printer is Rainbow, name the folder as follows. Output To Rainbow If the Rainbow printer is in a zone, add the zone. Output To Rainbow@Marketing 4. Create additional Output To folders for other services. From the Contacts window You can create an Output To folder from the Contacts window when you add or edit a contact. 1. In the Contacts window, click Add or Edit; go to the Mailbox tab. MassTransit Server Manual Page 74

75 Transferring Files For Mailbox Output Folders, click Add Folder. The New Mailbox Folder dialog box appears. 3. Choose a Folder type: Print To, Output To, or Forward To. Type a name for the service you want to use; use the custom name if one has been assigned. 4. Click OK. The folder you created appears in the Mailbox Output Folders dialog box with a symbol to its left indicating the type of folder: Print To, Output To, or Forward To. When you save the Contact Information dialog box for that contact, MassTransit creates the folder in the contact s To Send mailbox folder and places the folder type name before the name you type. If you choose Print To and type Washington, MassTransit places a folder named Print To Washington in the contact s To Send mailbox folder. Using Print To folders Drop files into the Print To or Output To folders. The next time you send files to the remote contact, MassTransit automatically directs them to the selected service. Only PostScript files can be processed by printer services. The files are moved to the Sent folder. The Output To folder remains in the To Send folder and can be used again. Processing received files Drop files into a Forward To folder. The next time you send files to the remote contact, files in the Forward To folder are sent. Before you can process a received file using an application, the application must be installed on the same computer as MassTransit. In addition, you must configure services for MassTransit. If you have not already set up the controls for these, see Configuring a service on page 73. MassTransit Server Manual Page 75

76 Transferring Files 76 Remember that you can print or process only file types that are compatible with the application or printer that will receive them. To learn what file types are compatible with individual prepress applications, refer to the documentation for those applications. Automatically processing files You can set privileges so that when a remote contact sends you files, they are processed automatically. See page 573. Manually processing files To forward a file to an application, follow these steps. 1. On the Files window, select the Received tab. 2. Select the files you want to forward to an application. Press Shift and click to select multiple nonadjacent files. You can also press Command (Macintosh) or Control (Windows) and click to deselect an individual file. To select all, choose Select All on the Edit menu, or press Command A (Macintosh) or Control A (Windows). 3. If the selected files show no services in the requested Service column, or if they show a service other than the one you want to use for those files, select the desired service in the Services menu on the lower right corner. Setting processing priorities for received files You can set processing priorities for received files. The Status column in the Received tab of Files window shows the order in which each file will be processed. However, you can manually set a different processing order. When you select a file that is designated to be processed or is being processed, the Remove button changes to a Hold button. To stop processing the file currently processing, select the file being processed and click Hold. The file is removed from the queue. To change the priority of all files in the processing queue, follow these steps. 1. In the Received tab of the Files window, select the first file in the list. Press Shift and click the last file in the list to select all files. 2. Click Hold to remove all files from the queue. 3. Add the files to the queue one at a time in the order desired. Checking the processing of files You can check the processing status of files and cancel the processing of a file with the Status window. 1. Open the Status window. The file being processed is listed and a progress indicator displays the amount of the file that has been processed. 2. Click Cancel to stop processing of the file. MassTransit Server Manual Page 76

77 Chapter Four: Web Connections The MassTransit Web Client provides an easy to use method for transferring files to MassTransit Enterprise Servers through a Web Browser. First, create a web client in the Contacts window; see page 22. A web client can connect to a MassTransit Enterprise Server over the web using one of the Web Browsers listed in the ReadMe. An Enterprise Server provides the web address, and personal web name and password to the web client or allows them to sign in with their domain username and password. If you set up MassTransit to use Single Sign-on (SSO), web clients can connect automatically if they re already authenticated to the domain. Once logged in, web clients can drag and drop files or folders onto the web site to transfer files to the MassTransit Enterprise Server and can forward files to others in the Server Contact window if you give permission. When the web client logs in to the Server, they can download files or folders sent by the Server. As Server administrator, you may set up a secure connection using Secure Sockets Layer (SSL) which provides verification that the web client is connected to the server s web site. In addition, the secure connection provides encryption of the data you transfer. In addition, the web client can connect to the MassTransit server using FTP Fallback. FTP can be used as an alternative when it is not possible or desirable to install the Web Client Plug-in. See Using FTP Fallback on page 26 for information on setting FTP Fallback. Setting up a web client You add web clients to your Enterprise Contacts window just as you do other contacts. See Adding a new Web Client on an Enterprise Server starting on page 22. In order to use MassTransit, you need the correct resources. See the ReadMe file in the MassTransit installation directory for the latest requirements. Starting with MassTransit 5.1, the plug-in is a Universal binary that runs natively on the current Intel-based Macs or the older PowerPC-based Macs. For more information about installing and using the MassTransit Web Client, please see the following Group Logic Knowledge Base article: Using the Web Client You can have web clients log directly into a MassTransit Enterprise Server using the Web Client Plug-in or, for new or occasional users, you can use notification. Logging into a MassTransit Enterprise Server on the web Give your web clients the Web Client Plug-in or let them download it from the web the first time they sign on to the MTWeb site. Once the plug-in is installed, you can transfer files using the MassTransit Web Client software. If it s not possible or desirable to install the MassTransit Plug-in, clients may use FTP if you enable the FTP Fallback option for them. Using FTP presents certain security risks and has more limited functionality than the MassTransit Web Client, but it does not necessarily require installation of additional software. 1. Go to the MassTransit Enterprise Server web address. Enter a User Name and Password then click Login. The User Name and Password are those set up for the web client in MassTransit itself or the ones you normally use to log into the server s domain (if you set up Active Directory authentication). If you configured Single Sign-On (SSO) for web clients and you are logged into the same domain, you can access the MTWeb site without having to enter your username and password.

78 Web Connections 78 If you have installed the Web Client Plug-in already, skip the rest of this section and go to Transferring Files with the MassTransit Web Client on page 79. If you access the MassTransit web site from a computer without a MassTransit Web Client Plug-in installed, or, if the plug-in is older than the current one, you are prompted to install the latest version of the web client. Follow steps 2 and 3 to continue. If you provided the web client with the FTP option, you may use FTP to transfer files. FTP is only recommended for use if the MassTransit Web Client cannot be used due to installation or network configuration problems. For instructions, see the steps in the Using FTP Fallback section on the this page. 2. Download and install the plug-in. If you re using Firefox or Safari, or the regular installer with Internet Explorer, you will need to quit and re-launch your browser for the plug-in to be active. If you use the automated CAB file installation in Internet Explorer, you do not need to restart your browser.. 3. After installing the Web Client Plug-in, sign in to the web address again. You are ready to transfer files. Security You may have required a secure connection. In this case, when you connect to the server s web site you connect using HTTPS (web browsing over SSL) rather than HTTP, much as if you were connecting to a bank. The secure connection uses SSL to provide a server certificate and encryption of all data sent over the connection. If a secure connection is required and you do not use HTTPS, you see a message asking you use it. When you have a secure connection, you see a padlock at the bottom of your window. Your web browser can verify that the Server s certificate is authentic. The MassTransit Web Assistant receives an encryption key from the server over the authenticated connection and uses it to establish its credentials with the MassTransit server when sending files. This encryption key changes randomly with every transaction. Even if someone intercepted the key by watching the traffic, it is not useful since it is valid only once. Using FTP Fallback If you provided the web client with the FTP option, follow these step to transfer files using FTP. 1. Sign in to the Web Address. 2. Click the Use FTP button to start a new FTP session. The FTP session may be established in your browser or an FTP client application, depending on your computer configuration. 79 Web Connections 79 When you use the FTP fallback option, you cannot use key features of the MassTransit Web Client, including the following. * Drag & drop file transfer from the web browser * Protection of folder structures and Macintosh specific file information such as resource forks, Finder icons, and file modification times * Encryption of both user passwords and file content * Built-in lossless compression for faster transfers * Guaranteed delivery of uncorrupted files using checksums and handshakes Transferring files with the Web Client From the Pick Up and Drop Off tabs the web client can do the following. Pick up files from the Enterprise server Drop off files for the Enterprise server and fill out a job ticket if one has been requested Send files to contacts in the Enterprise server s Address Book if the Enterprise server has given permission Direct files to services the Enterprise server has set up and given web client permission to use Picking up files If someone has sent files or folders to the web client, they are listed in the Pick Up tab. 1. Go to the Server s Web address and log in. Files and folders the Server has sent are listed in either the Pick Up folder on the Transfer tab or the Pick Up Files tab. 2. Click on a file or folder and drag it to the hard drive. Drag a folder to preserve its hierarchy to save all files and folders within that folder in the same order. OR Click Download All to download all files and folders. Note If the MassTransit Server has allowed for repeated pickup of files, the files remain in the Pick Up tab after downloading. This allows the web client to return to the Pick Up tab to download the files again. To remove files from the Pick Up tab, delete them from the MassTransit Server Files window. Using an Link to Pick Up Files The MassTransit Server may notify you by that you have files to pick up; the can contain a clickable URL that takes you to the MassTransit web site when clicked. In addition, it may include a one-time passkey so you do not need to enter your user name and password to log in. MassTransit Server Manual Page 79

80 Web Connections 80 The Server may allow you a limited time period in which to pick up your files. For information on setting up notification, see page 91 of this manual and cfm/fuseaction/view/docid/336 online. Dropping off files The web client can send files and folders to the Enterprise Server using the Drop Off folder tab. To send files or folders to your Enterprise Server, follow these steps. 1. Go to the Server s Web address and log in. 2. Go to the Drop Off tab. If the Server wants a Job Ticket filled out, the job ticket appears; fill out the necessary fields before proceeding to step Drag a file or a folder containing files from the Macintosh Finder or Windows Explorer to the Drop Off tab. OR Click Select Files to browse for files or folders to send. Highlight a file or folder and click Add, or click Add All to add the contents of the displayed folder. Click Done. Once files and/or folders are selected, they are sent to the MassTransit Enterprise Server. The Web Assistant opens and displays a progress indicator, information about the transfer and keeps a log of events as they happen. See the section Using the Web Assistant below. 4. Click the Logout tab to log out. Sending files and folders to others The web client may be able to send files and folders to others if the Enterprise Server has given permission when setting up the web client in the Contacts window. To send files or folders to someone other than the Server, follow these steps. 1. Go to the Server s web address and log in, then, click on the Transfer tab s Drop Off tab. 2. Choose a name from the Send To menu. The names available are those chosen by the Enterprise Server. The Send To list contains the names of MassTransit contacts. In addition, when you are using Active Directory, names of those who are on a Distribution or Master List with you are listed in the Send To list. When you send files to people listed in Active Directory, they are added to your MassTransit Server s Contact window automatically if they do not already exist. Those on a Master List are added to the contact list; those on Distribution Lists are added for a short period of time as set by the administrator. 3. Drag a file or a folder containing files from the Macintosh Finder or Windows Explorer to the Drop Off tab or click Select Files to select files or folders to send. Files are sent to the contact chosen in the Send To menu. A progress indicator on the upper left of the tab indicates that files are being transferred. 4. Click the Logout tab to log out of the MassTransit Web Client. MassTransit Server Manual Page 80

81 Web Connections 81 Sending files to a service The Enterprise Server may set up services to which the web client can direct files for processing. These may include printers, applications, drop-folders, or scripts. The names assigned to these services are listed in the Remote Service menu in the Drop Off tab. To use a service, follow these steps. 1. Go to the Server s web address and log in, then, click on the Transfer tab s Drop Off tab. 2. Choose a service from the Remote Service menu. The services available are those set up by the Enterprise Server. 3. Drag a file or a folder containing files from the Macintosh Finder or Windows Explorer to the Drop Off tab OR click the Select button to select files or folders to send. Files are sent to the service chosen in the Remote Service menu. A progress indicator on the upper left of the tab indicates that files are being transferred. Note Send files formatted for the service if necessary. For example, printers require a PostScript file. Check with the Enterprise Server for requirements. 4. Click the Logout tab to log out of the MassTransit Web Client. Creating Reports If the web user has the ability to run reports, a Reports tab appears. The tab displays the selection of reports available. Click on the type of report to create, then select a range of dates to create the report. The web client can export data for most reports to CSV (Comma Separated Values) and XML files. The file is placed in the browser s default download directory. Keep in mind that requests for large amounts of data require additional time to generate. Reports allow analysis of the following data. Server Summary Reports provide information and analysis summarizing data relevant to the MassTransit server overall. For instance, a report analyzing the types of errors encountered by the server including a pie chart showing the relative frequency of the errors. Usage Reports are a series of reports that provide information and analysis regarding the volume of data and files flowing through the MassTransit system over time. For instance, a report can be displayed showing the volume of data in GB transferred per month over a specified time period. Contact Reports provide information and analysis regarding the Contacts (users and sites) with which the MassTransit Enterprise server can communicate. For instance, these reports include a report on the number of files transferred by each Contact in a specified time period sorted for most to least. For more information about reports, see 1. Go to the Server s web address and log in, then, click on the Reports tab. 2. Choose a report by clicking on its title Some or all of the reports are available depending on your user permissions. 82 Web Connections 82 If the web client can create system-wide reports, the following appears. If the web client has restricted report access, the following appears. In addition, the reports created are for those contacts the Server has given permission to create reports for. Using the Web Assistant When the web client transfers files with the MassTransit Enterprise Server web site, the Web Assistant opens on the local computer. The Web Assistant has two tabs, the Status and the Log tabs. The web client can open the Web Assistant at any time to review the Log. On Windows, the Web Assistant is located at C:\Program Files\Group Logic\MassTransit Server 6\MTWeb\JobTickets. On the Macintosh, the Web Assistant is located at Applications:MassTransit Server 6 Folder:MtWeb:JobTickets MassTransit Server Manual Page 82

The web client sees a list of the files being sent to the Enterprise Server a forwarding address or a service. To stop sending a file, highlight it and select the Disconnect button. The Log tab The Web Assistant Log maintains a list of Web Client activities. Delete events from the Web Assistant Log to reduce the size of the Log file. 1. If necessary, open the Web Assistant and display the Log. 2. Select the log entry or entries you want to remove. Press Shift and click to select multiple adjacent entries. You can also press Command (Macintosh) or Control (Windows) and click to select multiple nonadjacent entries. To select all, press Command A (Macintosh) or Control A (Windows). 3. 84 Web Connections 84 The Log viewer The MassTransit Server may allow the web client to view the Server Log window. Each communication and file transfer event in MassTransit is noted in the Log window. See Chapter Five on page 84 for more information about the log. Note To see a log of activities for the MassTransit Web Client, open the MassTransit Assistant. 1. Go to the Log Viewer tab to view the Log. 2. Display sections of the Log using the filter menus. Select the name of Contacts, the Type of log entry, and the Severity of the entry from the VIEW ONLY filter. Select the starting and ending dates of the log entries you want displayed from the VIEW ENTRIES DATED BETWEEN filter. Select common dates or a text phrase to search for. Choose to turn real-time refresh on or off. Changing the web client password The MassTransit Server may require the web client to change the password at intervals. The web client is prompted to enter a new password when one is required or can change it from the My Account tab at any time. 1. Go to the My Account tab. 2. Type the current password, and type the new password twice. Click Submit to change the password. Logging out Click the (Logout) button to log out of the MassTransit Web Client. 85 Chapter Five: Tracking Job Information MassTransit helps you keep track of each event and file received and sent. The Files window keeps running lists of files that you have received and sent to each contact. The Log window keeps a record of each event as you contact others, move files, and process them in applications. To help you use the Log window to trouble-shoot, the Log window records the name of the user that launched MassTransit. This chapter explains how to use this log through the following topics. Checking the status of jobs Reordering log entries Copying the log contents Managing outdated log entries Removing files from MassTransit Checking the status of jobs Each communication and file transfer event in MassTransit is noted in the Log window. The log records the nature of the event, the time and date, and the user with whom the event is associated. In addition, the log notes the type of each event and ranks it according to one of the following three levels. Info, a message noting significant events in MassTransit including the shutdown of MassTransit Warning, a message noting problems that have arisen or may arise due to current system settings Error, a message logging problems beyond the control of MassTransit In addition to the levels listed above, the types below are commonly used. Connect, indicating the remote MassTransit and user systems successfully initiated a connection Transfer, indicating a file was copied from one system to another Error, indicating a problem that does not fall into any of the other categories Output, indicating a file is being processed by a service Summary, giving a summary of files transferred and their size for the preceding transfer For a complete list, select the Type menu in the Filters section of the dialog. You can change the size of a column by positioning the arrow over the line separating the titles in the title bar. Drag to widen or narrow a column. While an entry in your Log is highlighted, information is not updated. Click Resume to update the information or close the Log and reopen it.

86 Tracking Jobs 86 When you first open the Log window, the entries are ordered chronologically with the most recent entry first. There are occasions when it may be more helpful to order the log entries another way. For example, you might want to see all log entries associated with a particular contact. Or, when troubleshooting, you may want to view entries by their severity level (Info, Warning, or Error) or log message. Managing log entries To sort log entries by category, follow these steps. 1. In the Log window, click the Time column heading to invert the order. 2. Under Filters, choose from the three menus which items you wish to display. From the Who menu, select the contact. From the Severity menu, choose the severity level of items you want to display. From the Type menu, select the Type of information you want to display. Controlling the Interval between disk space log messages You can make changes to the MTEngine.cfg file to control the interval of log messages concerning low disk space. Open MTEngine. cfg in a text editor and change the following lines to suit your needs. MassTransit Server Manual Page 86

87 Tracking Jobs 87 %% %% Free disk space warning thresholds [in MB] %% mailbox_disk_space_threshold = 10 %% database_disk_space_threshold = 10 %% %% Set interval between disk space warnings [in minutes] %% disk_message_interval = 30; The MTEngine.cfg must be placed in the same folder as the MassTransit Engine. Restart the Engine for any changes made to this file to take effect. Copying the log contents You can select and copy sections of the log to the clipboard as tab-delimited text to use in other programs. It may take a long time to copy multiple log entries. Managing outdated log entries Because the Log window records all significant MassTransit events, the list can become long and unwieldy. A long log list may slow MassTransit down. You can remove log entries that no longer have any relevance to you. You can either delete selected entries manually or set MassTransit to remove entries automatically once they reach a certain age. You can also remove entries using AppleScripts. While MassTransit Enterprise and Professional Servers can have unlimited log size, Satellite Server and Application Clients are limited to 32,000 entries. Entries are purged daily as they exceed this number. You can set up a script which warns you before the log is purged and delete records of your choosing before the purge takes place. (See page 86.) To remove log entries manually, follow these steps. 1. In the Log window, view the Maintenance area of the Log. 2. Select the log entry or entries you want to remove and click Remove Selected Entries. Press Shift and click to select multiple nonadjacent entries. You can also press Command (Macintosh) or Control (Windows) and click to deselect an individual entry. To select all, choose Select All on the Edit menu, or press Command A (Macintosh) or Control A (Windows). - OR- Display the log entry or entries you want to remove using the filters, then click Remove Displayed Entries. To remove log entries automatically, follow these steps. 1. In the Setup window, select the Special tab. MassTransit Server Manual Page 87

88 Tracking Jobs For Log and File Handling, select Clear Log Entries Older Than <Number> Days and type an age in days. Then click Save or OK. Removing files from MassTransit There may be times when you want to remove a file from your system, either without processing it or after you have already processed it and sent a copy to your contact. Or, the list of files you ve sent may be too long and you may want to reduce it. A long log list may slow MassTransit down. You can do any of these with MassTransit. Whenever you remove a file from one of MassTransit s default locations for example, a received file in the Received tab or folder or a file for sending in the To Send tab or folder MassTransit on the Macintosh asks you to decide whether the files should be deleted or moved to the Desktop. MassTransit on Windows asks you if you want to move files to the trash. However, if you remove a file that is in a custom mailbox folder, only its name is removed from the list; the file and its location remain unchanged. If you want to delete or move such a file, you must do so using the Finder or Explorer. If you want to remove only entries for files that have already been sent or for received files that have already been processed, you can have MassTransit remove those entries automatically. This automatic deletion does not affect entries for files that are waiting to be sent or entries for files that have been received and not processed. Furthermore, automatic deletion does not delete the files themselves. You need to remove the files manually. Automatic file-entry deletion only affects entries in the Files window. Removing files manually To remove a file from MassTransit manually, follow these steps. 1. In the Files window, select the contact from the User Filter, if you wish. 2. Select a file you want to remove from any tab. Press Shift and click to select multiple nonadjacent files. You can also press Command (Macintosh) or Control (Windows) and click to deselect an individual file. To select all, choose Select All on the Edit menu, or press Command A (Macintosh) or Control A (Windows). 3. Click Remove. If the file you are removing is in the normal default mailbox folder, MassTransit asks whether to move the file to the Trash or to the Desktop. Select one of these or click Cancel. If the file you are removing is not in its normal default location, clicking Remove eliminates the item from the list, but leaves the file itself in its current location. Removing files automatically To remove files from MassTransit automatically, follow these steps. 1. In the Setup window, go to the Special tab. 2. For Log and File Handling, select Clear File Entries Older Than <Number> Days and type an age in days. Then click Save. MassTransit Server Manual Page 88

89 Chapter Six: Other Features MassTransit Enterprise and Professional Servers have a number of features which can be useful to you in your work. Performing Actions: notification and scripts Running MassTransit as a Windows Service Performing Actions You can set MassTransit actions to occur before, during, and after the transfer process on both Macintosh and Windows. Actions include such things as notifying you of a problem or running scripts. You can set up sound or notifications of file arrivals and other key events. You can automate processes by running scripts when events occur. For up-to-date information on actions, see 1. In the Setup window, select the Actions tab. The Actions tab appears 2. Click Add on the Actions tab to add an action. The Add Actions dialog box appears. 3. Choose to make the action for all or Selected Contacts. If you choose Select Contacts, the following dialog appears. Click on the contacts you wish. Use the Shift key to select multiple adjacent contacts; use the Control key to select multiple separated contacts. Click OK. The Who section of the Actions dialog box lists the chosen contacts.

90 Other Features Enter a name for the action. 5. From the When menu, choose the event you want to trigger the action. Actions include the ability to receive a warning when files are ready to be transferred and when database disk has low space. Using the Periodic Event selection, you can trigger an action on a schedule instead of in response to events. Use this selection for regularly occurring events such as nightly backups and other maintenance processes to run at a desired time within MassTransit. 6. From the Who menu, choose All or a contact. You may configure an action for one or more selected contacts or all contacts. 7. From the Actions Add section, choose an action to take. Each action button appears beside the Add button. You can add as many tasks as you wish for each action. For example, you can create AppleScripts to warn you about problems when files are transferred or to send files to the Trash after transferring them. When you click any action button, a dialog appears which allows you to configure the action. The dialog is named for the button you clicked. MassTransit Server Manual Page 90

Click OK until you return to the Action tab of the Setup window. Highlight an action and click the Disable (Enable), Duplicate, Configure and Delete buttons as needed. The Action is added to the Action tab. 10. Click Save or OK to close the Setup window. Once you configure an action, you may enable or disable it from the Action dialog box. Select a single action, or multiple actions, then click the Enable/Disable button. To delete actions, select one or more actions in the Action dialog box. 92 Other Features 92 Using notification When you choose to set up an action, you see the Configure Action dialog box. You may add multiple recipients by separating addresses with a semi-colon. You may send notifications using the address entered into the address book for the contact associated with the triggering event. You can execute a script while creating the on the Macintosh. For example, an action script can be specified which when executed triggers the building of the body text of the message. You can use tokens in subject lines and body text. These tokens are replaced with live text when the is generated. Supported tokens include contact name, contact address, date, time, passkey and file transfer information such as number of files, length of transfer, and size of transfer. In addition, you can use a token which allows you to insert the login name of the MassTransit web user who sent the file. For a list of tokens, see cfm/fuseaction/view/docid/337 Configuring Launch Process When you configure a Launch Process action, the following dialog box appears. You can launch any executable, e.g. Perl scripts, Python scripts, shell scripts, etc. MassTransit provides the launched process with several pre-defined environment variables and also allows the user to define his own. Because external applications have access to the MassTransit database using MySQL this action makes creating custom workflows much easier and more efficient. 93 Other Features 93 Configuring SMS Messages When you choose to configure an Configure SMS Message, the following dialog box appears. Type a message to be sent when the specified event occurs. Place a check in the Generate Multiple SMS Messages if Message Exceeds 160 Characters checkbox as needed. Type the phone number and select a Cell Carrier. Configuring a MassTransit Log message You can choose to configure a MassTransit Log Message action triggering a message for file and log events for contacts. When you choose MassTransit Log Message, the following dialog box appears: Type the message you want to have added to the MassTransit Log. Choose the Entry Type. Choose a Severity level. Configuring a copying or moving action When you choose to configure a copy or move action, you see the Configure Copy/Move File dialog box. For Destination, select the folder where files related to the triggering event will be copied or moved. Choose to copy or move the files. When you move a file, the original is deleted. Optionally, place a check in the checkbox Replace Existing Files in the Destination Folders. If a file has the same name as a file in the Destination folder, the original is overwritten.
