1 Quick Start: Permission requests and approvals and approvals Microsoft Volume Licensing Field Center This guide shows field users the process for requesting access to the Volume Licensing Field Center and explains the two different roles they can request. It also shows approving managers how to approve or deny requests and manage access to the Field Center. Field users and approving managers can get started by signing in to the Volume Licensing Field Center: 1. Go to: 2. Select Sign In. Microsoft Volume Licensing 1
2 The Sign in page appears. 1. Type your Microsoft alias in the first field. 2. Select Sign in. You may be prompted for your employee user name and password. No Permissions If you receive a message indicating you do not have permission to access the Field Center, you have two options: Request permission. Sign in with a different account. 3 Roles There are currently two roles available for field users to request permission for in the Field Center: The Concessions Creator role can create Concessions as well as view agreements and reports. The Concessions Viewer role can view agreements, Concessions, and reports. Select this role if you do not need to create Concessions. The Field Request Approver and Concessions Approver roles are automatically assigned to some users based on their Microsoft employee role, so they cannot be requested here. Field user role request Here s how a field user can request a role: 1. Select the approving manager from the APPROVING MANAGER drop-down list. The system will recognize your manager as the approver. 2. Select the desired role: Concessions Creator or Concessions Viewer. 3. Type the business justification for the request in the REASON FOR REQUEST textbox. 4. Select SUBMIT REQUEST. The Permission requested successfully confirmation appears, and the system sends a notification to the approving manager selected in step 2. Microsoft Volume Licensing 3
4 Approving manager approves or denies access The system sends the approving manager a message, indicating that the field user requested a role in the Field Center. To respond to the request, the approving manager should do the following: 1. Select the View permission request link within the message, where they will be prompted to log in with Microsoft alias, and may also be prompted for employee user name and password. Field managers are given automatic access to the Field Center to approve permissions. If any additional information in the Field Center is needed to be viewed, additional permissions can be requested. After logging in to the Field Center they will automatically be directed to the Manage Users page. 2. Next they will locate the request they wish to approve, and select Approve from the ACTIONS drop-down list for that user. The Permission approved successfully window appears. These same steps are also used to deny access. To do so, the approving manager would select Reject in step 2. The system will automatically send a notification to the field user telling them their request has been approved or denied. Microsoft Volume Licensing 4
5 Field user requests additional roles or privileges If you already have permission to use the Field Center and have been assigned at least one role, you can request an addition role. Here s how: 1. From the dashboard in the Field Center, select My profile from the drop-down that appears under the login . The My profile page appears. 2. Select the role you wish to request. 4. Select the approving manager from the APPROVING MANAGER drop-down list. The system will recognize your manager as the approver. 5. Select the new role. 6. Type the business justification for the request in the REASON FOR REQUEST textbox. 5. Select SUBMIT REQUEST. The Changes submitted successfully window appears. NOTE: If you remove the checkmark from an already assigned role, the system will remove your permissions for that role. Microsoft Volume Licensing 5
6 Approving manager edits (or removes) access The Field Center will send an notification to the approving manager letting them know about the request for additional roles. To respond to the request, the approving manager should do the following: 1. Select the View permission request link within the message, where they will be prompted to log in with Microsoft alias, and may also be prompted for employee user name and password. Field managers are given automatic access to the Field Center to approve permissions. If any additional information in the Field Center is needs to be viewed, additional permissions can be requested. After logging in to the Field Center they will automatically be directed to the Manage Users page. 2. Here, they locate the user to be updated, and choose Select under the Actions column. They will be directed to the User Management screen with the current permissions shown for that field user. 3. Select the updated role. 4. Select SAVE. The Changes submitted successfully window appears. An notification will be sent by the system to the field user to indicate that the request for additional roles or privileges have been approved or denied. These steps are also used to remove access. To do so, the approving manager would select Remove access in step 3. Microsoft Volume Licensing 6
