1 Thank you for choosing Webmail! Section 1: General Features and Layout of Webmail I. After logging in you will be greeted with a page which looks similar to the older version of webmail. You will have a Folder Pane, Pane, Settings / Tools Pane, and Preview Pane. a. Folder Pane In this window you will see your folder navigation list. When you first open webmail, Inbox will be selected, and in your pane, you will see a list of messages that are contained in this folder. If you select the Sent folder, you will see messages you have previously sent using webmail. You can also create new folders to help sort and file your s if you choose to keep them. b. Pane Within the pane you will see a list of the s within the current folder you have selected in the Folder Pane. If you select one of these s, you will see the body of the message populate the Preview Pane below the Pane. You can also right click a message in the Pane to see different options for the individual message, or if you have multiple messages selected, options for all these messages. c. Settings/Tools Pane In the Settings/Tools Pane you will see 9 different tools. 1. Messages: Clicking on this will bring you back to the home screen where you will see your Folder, , Settings/Tools and Message Pane. 2. Contacts: Here is where you will find your Address Book, you can add, remove and edit your contacts from here. 3. Folders: From here you will see the list of all folders tied to your . You can folders, add or remove folders from here. 4. Identities: This will allow you to create your signature, edit you displayed name when you send an , you can also set up vanity addresses from here. 5. Preferences: Here is where you will find the options for webmail. You can adjust how your webmail reacts to what you do, and how it will control for you. 6. Filter: From here, you can view messages in your filter. You can also access your filter options, to allow, or block users from sending you mail. 7. Account Management Center: The account management center give you options to change your password, view quota, links to billing and helpdesk contact information. 8. Scam Alerts: This will take you to our scam alert page, where you can see new scams we have detected, or if you feel you have an that is a scam, you can report this to us. 9. Help: You ve apparently already found this one, but this brings you to this help file. d. Preview Pane Within the preview pane you will be able to see the body of the you have selecting in the Pane. You have the choice of reading it here, or opening the in a separate window and reading it there. II. Along the top of the screen you will see your message handling controls: Compose, Reply, Reply All, Forward, Delete, Send/Receive, and Log Out. a. Compose This option will be selected if you are going to be sending a message to a new recipient, rather than replying to, or forwarding an existing message. You will receive a blank form in this window to enter the recipient address, subject, and body of the . There will be a drop down to choose the sender (you, or your address). This can be ignored unless you have vanity addresses in place. You can also attach images/files by selecting attach within this window, and selecting the file on your computer. b. Reply This is used when replying to a message you have selected. The compose pane will also come up when you select this option, however, the recipient address and subject will be populated with whomever s address that sent you the you had selected. The subject will then be populated with that messages subject, preceded by RE: The original message will be pasted to the bottom of the body of this , with the original sender/recipient information for reference.

2 III. c. Reply All: This is exactly like Reply, with one significant difference. When hitting this command, if the original you received and were replying to had more than one recipient, IE it was sent to more people than just you, all of their address will be populated in to To: field. d. Forward: When a message is selected and you hit forward, it will react much the same as a reply, however, the recipient field will not be populated, and the subject will begin with FW: e. Delete: This option will send the currently selected message to the Trash folder by default. f. Send/Receive: This option will send all messages waiting to be sent, if the compose pane is open, it will send this message out. It will also re-connect to the server and check for any new messages waiting to be delivered to you. g. Log Out: This will disconnect you from webmail and bring you to the login page. To help keep your and server space clean, you can select from Preferences to empty trash on Log Out, this will only remove the s in your trash folder when you press Log Out Folder Pane The folder pane will look similar to this. How it looks will depend upon how many folders you have. It will be located to the left of the webmail page, just below the provider s logo. IV. Pane The pane will look similar to this. However, here is where you will find all your s. Read, or unread, they will show up here. The list, if there were anything in it is being sorted by the subject. This means that it will be sorted alphabetically by the Subject of the s that are sent to you. You can tell how the list is being sorted by locating the black arrow on the top bar. If you were select to sort by the sender, the arrow would then appear at the end of the box that says sender along that top bar, same with Date, and size. Please note this arrow can point up, or down, depending upon whether you are sorting in an ascending, or descending nature. The star is used in the event you choose to mark an as a favorite so you can find it later; you can sort by this to bring your favorites to the top. The last item is a

3 paperclip signifying the has an attachment. You can also sort by selecting this, and it will bring all items with an attachment to the top. At the bottom of the Message Pane, you will see some different options. The 5 options at the bottom left, are options to select multiple messages within your inbox. They are, from left to right, All, Current Page, Unread, Invert, and None. Selecting all, with highlight all messages in the Inbox so they can be moved, or deleted all at once. Selecting Current page will select only those messages currently displaying in the message pane, again to move or delete at once. Unread will select only messages you have not read. Invert will select all the messages you do not currently have selected. None will clear your selection. Unchecking the box next to Show preview pane: will remove the preview pane from your view on the webmail page. The arrows in the lower right assist in navigating your folders if you have multiple pages of messages. V. Settings / Tools Pane The Settings / Tools pane shows multiple links that you can use to navigate through the webmail product. Messages, Contacts, Folders, Identities, Preferences, Filter, My Account Settings, Scam Alerts and Help (Which you have apparently already found.) 1. The Messages button will ultimately reset your webmail instance, taking you back to the main screen you see as soon as you login, with the preview pane in the lower right corner, the message list in the upper right, the folder pane at the left, and Settings/Tools pane in the lower left. 2. Contacts is where you can edit, add to, and remove your contacts.

4 Existing contacts will show at the right in the window. To add a new contact, you can follow this: You ll notice at the bottom of the contact window, there is a small cog wheel with an arrow next to it, when you click that, you will be prompted with a list, to add a new contact, you can click this option, you will then be shown this page:

5 To add you contact, fill out the Contact properties information and click Save. To edit a contact, you will select it from the contact list, and will be show the Contact properties prompt again, you can edit the information there, and click Save. 3. Folders will allow you to add, edit and remove the folders you see in the folder list pane. In the upper left corner you will see your folder list, again, at the bottom of this list you see the Cog Wheel with the arrow, to the left of the cog wheel you will see a + sign. Click here to open the Folder properties window, here you can enter a new folder name, and edit existing folders by selecting them from the left, like adding and editing contacts you need to click Save here as well.

6 The checkmarks at the upper left are greyed out on the base folders the webmail comes with. If you add a new folder, there will be a check box you can click to subscribe or unsubscribe to. This will basically either allow you to see, or remove it from the folder pane on the home screen, respectively. 4. Identities will take you to a page where you can edit how your s are sent, so people see the coming from John Smith rather than johnrsmith@webmail.com. You can put in the Display name; this is what people will see when you send an . The other options are there if it is needed, Bcc refers to a blind-carbon-copy if you would like an sent to another of your s, every time you send an . The recipient will not be able to see that this message was sent to that other . At the top you will also see two tabs, by default you will have the settings tab selected. The other option is Signature. This tab will allow you to set a default message that will be added to every you send. The option for HTML signature will allow you to insert HTML code if there is a link or anything of that sort within your signature. * * A word of warning on adding links your signature, this can cause many different SPAM filters out there to stop your s from being delivered. We advise against the use of links in your signature. 5. Webmail Settings will allow you to edit general and specific settings. To view these settings, after you have clicked on preferences, the pane in the upper left will be populated with some different options. These settings should all be set fairly well. Should you need to change anything you can call the Help Desk for assistance.

7 6. Filter The filter can be confusing, but is ultimately pretty straightforward. When you click on the Filter button in the lower left of the screen you will be taken to a screen that looks a lot like this:

8 When you first visit the Filter, highlighted in purple you will see Junk, there is also a tab labeled Viruses. On this page you can see the block reason for each individual message that has been flagged. In the instance of the red highlight, you can see Spam that message was flagged because it is Spam. The third in this list is flagged as Adult. If you find an that is not spam, at the right you can select deliver to get it to your inbox. At the front of each listed item, there is a checkbox, if you tick this checkbox, or multiple checkboxes you can delete whichever ones are selected. You can also use the Delete All button to clean, and remove all the spam from the filter. The Viruses tab will take you here, where you can see any mail that was quarantined due to a virus being attached to it. You will notice there is no Deliver button as there was with the spam . s that are scanned and found to have virus embedded are quarantined and deleted, you cannot access them, for safety reasons.

9 When you click on My Settings, highlighted, you will be brought to this page, regardless of whether you select it from the Junk tab, or the Viruses tab. Under junk settings you will see 3 different options. Approve Senders You can add addresses to this list you do not want blocked, you can also add domains, and distribution lists. To approve a sender, a domain, or a mailing list, click on the respective which box within the blue areas and type the address, or domain, and then click the update button on that box. Examples: someone@example.com is an address. example.com is a domain name. This will block any originating from example.com Block Senders You can add addresses to this list you want blocked, as well as domains, and

10 distribution lists. To block a sender, or domain, simply click in the white box, within the blue box and type in the domain name, or the address. Examples: someone@example.com is an address. example.com is a domain name. This will block any originating from example.com Manage Junk Filters Allows you to decide how you want your mail/spam handled. As was mentioned earlier, you can see the different categories here; this is where you make decisions as to what you want the filter to do with them. By default, all categories are set to Quarantine. Quarantine leaves the s in the filter, so you can review them. Block will automatically delete all incoming spam to your mailbox, of that type. Allow will deliver the messages direct to your inbox. Clicking Save Settings will save your choice, should you make changes.

11 Also on the main My Settings page you will see Virus Settings under which there is only one option. Manage Virus Blocking There is no setting, this page will tell you that Virus Blocking is activate, there is no way for you to deactivate this setting. 7. My Account Settings

12 When you click on My Account Settings you will be brought to this page. From here you will click on My Account, you will notice from this page you can select My Account, My , Change Password, or Filter. My and filter will take you into the filter, as shown above. My Account, and Change Password will bring you to the same page: At the left there are links: Change Password, Customer Service, Our Homepage, and Help Desk, and in some instances, Online Billing. Change Password is the first page you see, here you can enter your current password, and you can enter a new password in here. Customer Service will give you the phone numbers to contact Customer Service, as well as an form to send in questions, should they arise. Our Homepage will give you the link to our website.

13 Online billing, if present, connects you to the online billing platform, if you have this option, and need assistance with it, please contact customer service. Help Desk will list an form, as well as phone numbers to contact the Help Desk for assistance. On the My tab there are also tabs at the left, in this case there are 6 of them. Filter, Quota, Delete Large from Inbox, Settings, Flush Mailbox, and Webmail. Filter will take you to the spam filter. Quota will bring you to the page above. Space, this will show you how full your mailbox is and how the space is broken up within your mailbox. Delete Large from Inbox will show you the large files in your inbox, and allow you to delete them from this point, rather than having to dig through multiple s to find them. settings will list the settings necessary to set up your for download to your phone, or computer via software. Flush Mailbox will erase all messages in your inbox. It will not, however, delete the mail in the filter; this must be done from the Filter tab. Webmail will give you the direct web address of your webmail. VI. Preview Pane 1. The preview pane will allow you to read the currently selected from your inbox, or a folder. You can turn off the preview pane within the webmail settings options. Within the preview pane, you will see the Subject, Sender ( or name, sometimes both) Recipient ( or name, sometimes both) and the Date it was received, as well as the time. In the upper right corner of the preview pane, on the Subject line, you will see a pair of red boxes, overlapping, with an arrow in the top box. When you click this button the preview pane will be opened in a new window, or sometimes new tab, depending on the browser you are using.
