2 About this Guide About Corporate Online Westpac Corporate Online is an internet-based electronic platform, providing a single point of entry to a suite of online transactional services specifically designed for major Australian, New Zealand and international corporations and government bodies. By working closely with customers like you, Westpac has developed Corporate Online as a portal environment that delivers greater control, productivity and flexibility to your business. Control how your organisation uses Corporate Online, including which applications and features staff members can use and which accounts and services they have access to. Increase productivity by getting straight to work with Corporate Online s easy-to-use interface and simple workflows. Use Corporate Online s flexibility to create a setup that matches your business needs and can grow and change as your business does. Security Note Corporate Online employs a best of breed security model, using a range of protective technologies to guard your organisation s information and to assist you in better managing the risks of fraudulent activity. It is one of a suite of guides that cover the wide range of applications and features that are available through Corporate Online. Where can I find a copy of this guide? The most up-to-date versions of this and other Corporate Online user guides can be found on the User guides screen of Corporate Online. Click on a link to display the user guides and elearning modules for that application You can also access the elearning modules from the user guides page. Learn to use Corporate Online in five easy steps ❶ Getting started Once you ve received your customer number, token (if applicable) and password, you re ready to sign in to Corporate Online for the first time. To access the user guides that cover the applications you re using, select the User guides option from the left-hand navigation menu. All of the Corporate Online screens have online help. 6 Signing In for the First Time Signing In for the First Time The first time you sign in to Corporate Online there are a few additional things to do. Procedure: Signing In for the First Time Before you begin, make sure you have the following ready: your 8-digit customer number (supplied to you in a welcome letter from Westpac) your token (distributed to you by one of your organisation s administrators if your Corporate Online access means you ll need one) your user password (sent to you in a PIN mailer or provided to you by one of your organisation s administrators). Start from your internet browser. 1. Using your internet browser, navigate to the Corporate Online web address (URL). If your primary bank relationship is with Use the following web address (URL) AU Westpac Australia NZ Westpac New Zealand Westpac Papua New Guinea For example: If in doubt about which web address (URL) to use, check your welcome letter. Enter the customer number supplied in your welcome letter and the password printed in the password notification letter or provided by one of your organisation s administrators, then click the sign in link. Corporate Online displays the Change user password screen. You may not access Corporate Online until you successfully change your password from the temporary one supplied in your password notification lette to a new one of your own choosing and you have agreed to the Privacy Statement. i Your new password must be between 8 and 14 characters long and must contain at least one number and one letter. It is case sensitive. Do not use characters that represent your customer number, your date of birth, your phone number, your name, or a combination of these. Never reveal your password to anyone, under any circumstances. The sharing of such information has legal implications. i You will have to change your password every 90 days or where your Organisation requires this to be more frequent, every 30 or 60 days. For more information on passwords, see Passwords and Tokens on page Enter the password supplied in the PIN mailer or by one of your organisation s administrators, a new password of your own choosing, your new password again (to ensure you ve typed it correctly), 4. Click on the View Privacy Statement link to read the details of the privacy statement then click in the box to the left of I have read, understood and agree to the privacy statement then click the Continue button. 8 Signing In for the First Time Corporate Online displays the Activate token screen. You may not access Corporate Online applications that require a token access until you activate your token by choosing a password. i Your token password must be between 6 and 8 characters long and must contain at least one number and one letter. Your token and token password is, in effect, your electronic signature in Corporate Online. You use them to authorise payments and other significant activities. Do not reveal your token password to anyone under any circumstances. 6. Enter a token password of your own choosing, then your new token password again (to ensure you ve typed it correctly). Enter the six digit number currently displayed on your token. This number changes every 60 seconds. If it changes while you re entering it, enter the new number instead. Click the Submit button.. Corporate Online displays the Activate token confirmation screen. 7. Click the OK button. Corporate Online displays the Security question screen. Introducing Corporate Online Page 8 of 34

9 Signing In for the First Time i The Corporate Help Desk may use these security questions and your security keyword to verify your identity when you call the Help Desk. i Choose questions that only you are likely to know the answers to and a security keyword that is something you will remember but cannot be easily guessed by someone else. 8. Enter two question and answers, then a new security keyword, then click the Continue button. Corporate Online displays the Security questions confirmation screen. 9. Click the OK button. 10 Signing In for the First Time The applications displayed will depend on the access granted to you by your organisation s Corporate Online administrators. If Corporate Online has displayed a Message screen instead, review the messages or click the Continue button and read the messages later (see Procedure: Reviewing your messages on page 24). The Message screen will be displayed again next time you sign in. 10. To access a Corporate Online application, click on an item in the left-hand navigation menu. For example: Corporate Online displays the selected application. i When moving around Corporate Online, do not use your browser s back button. For more information on the basic Corporate Online features and how to get around, see A Quick Tour of Corporate Online on page 11. For more information on the application you ve selected, see the relevant user guide. 11. When you ve finished using Corporate Online, sign out. 11 A Quick Tour of Corporate Online A Quick Tour of Corporate Online A typical Corporate Online screen looks like this: Use the left-hand navigation menu to move to another screen or to another application. Use drop-downs to filter the list of information displayed Click Help for help on the current screen Use the calendar to enter valid dates To end your current session, click Sign Out To browse the contents of a list, use the grey navigation links The Help Desk number is on every screen! To browse and print information from the current screen, click Print preview Most of the features highlighted are available on all Corporate Online screens. Their use is covered in a basic skills section in each application s user guide. Moving around in Corporate Online Use the left-hand navigation menu to move to a screen within the current application or to move to another application. Never use your browser s back button with Corporate Online. Always use the left-hand navigation menu or the buttons displayed on the Corporate Online screens to move around. 12 Signing In and Out Signing In and Out When you sign in to Corporate Online using your customer number, all of the actions performed in that session are audited against your customer number and are deemed to have been performed by you. Sign in only with the customer number issued to you by Westpac. Never allow anyone else to use your customer number. The sharing of this information has legal implications. Procedure: Signing In Start from your internet browser. 1. Using your internet browser, navigate to the Corporate Online web address (URL). If your banking relationship is with Use the following web address (URL) AU Westpac Australia NZ Westpac New Zealand Westpac Papua New Guinea Your internet browser displays the Corporate Online sign in page. 2. Enter your customer number and user password, then click the sign in link. i If you fail to enter a valid password three times, Corporate Online will temporarily lock your account as a security measure. You will not be able to sign in until your account is unlocked. To unlock your account so you can sign in, you can click on the Forgotten your password? link on the sign in page and if you have a Corporate Online token you will be able to reset your password online. Alternatively you can contact your Corporate Online administrator (see Resetting your user password on page 15). The next screen that Corporate Online displays will depend on: whether your password has expired whether you have unread messages Introducing Corporate Online Page 12 of 34

13 Signing In and Out whether you have set a default application. If the password you just entered has expired, Corporate Online displays the Change user password screen. You may not access Corporate Online until you successfully change your password. (a) Enter your current password, a new password, your new password again (to ensure you ve typed it correctly), then click the Continue button. i Your new password must be different to your previous passwords. Corporate Online displays the Change user password confirmation screen. (b) Click the OK button. i You will have to change your password every 90 days or where your Organisation requires this to be more frequent, every 30 or 60 days. For more information on passwords, see Passwords and Tokens on page 15. If you have unread messages, Corporate Online displays the Messages screen. Click on a Message title link to display the message. When you ve read the message, click the Continue button. For more information on messages, see Messages on page 24. If you have set a default application, Corporate Online displays that application, otherwise Corporate Online displays the Your settings screen. For more information on default applications, see Your Default Application on page 23. Before you can access an application that requires a token, Corporate Online will authenticate your identify with a token validation screen. See Procedure: Using token validation on page 14. 14 Signing In and Out Procedure: Using token validation In each Corporate Online session, the first time you enter an application that requires token access you must supply additional security information to authenticate your identity. Start when Corporate Online displays the Token validation screen. 1. Enter your token password, then the six-digit number currently displayed on your token. This number changes every 60 seconds. If it changes while you re entering it, enter the new number instead. Click the validate link. Procedure: Signing Out Always sign out when you ve finished using Corporate Online. Start from anywhere in Corporate Online. 1. Click the Sign Out button at the bottom of the left-hand navigation menu. Corporate Online displays the sign out page. 2. Close your internet browser. 15 Passwords and Tokens Passwords and Tokens User passwords Your customer number, passwords, and tokens protect your organisation s accounts and transaction information. They are a crucial part of Corporate Online s security. To ensure you and your organisation are protected, follow these guidelines: Sign in only with the customer number issued to you by Westpac. Never allow anyone else to use your customer number. Sharing this information has legal implications. Never reveal your passwords to anyone, under any circumstances. User passwords are entered with your customer number when you sign in to Corporate Online (see Procedure: Signing In on page 12). Your user password must be between 8 and 14 characters in length and must contain at least one letter and one number. Do not use characters that represent your customer number, your date of birth, your phone number, your name, or a combination of these. Passwords are case sensitive. Corporate Online will force you to change your user password at least every 90 days. If a password change is due, Corporate Online displays the change password screen as you sign in. Resetting your user password If you have forgotten your user password or were attempting to sign in and entered the wrong password three times in a row and have been locked out, you can contact one of your Corporate Online administrators and ask for a user password reset or if you have a Corporate Online token you can reset your password online via the Forgotten your password? link on the sign in page. (see Procedure: Changing your user password on page 15). Your Corporate Online administrator will verify your identity according to your organisation s security policy, reset your password and give you a temporary password to use when signing in. After you sign in with the temporary password, you will need to enter a new password before you can access Corporate Online (see Procedure: Changing your user password on page 18) Should a Corporate Online administrator not be available to reset your user password, call the Corporate Help Desk. Procedure: Resetting your password online To reset your password online you will need your Corporate Online token and your token password as they will be required to authenticate your identity during this process. Start from the Corporate Online sign in page. 1. Click the Forgotten your password link on the sign in page. Introducing Corporate Online Page 15 of 34

16 Passwords and Tokens Corporate Online displays the Forgotten Password screen. 2. Enter your 8 digit customer number and your date of birth, then click the Continue button. Corporate Online displays the Choose a new password screen. i Your new password must be between 8 and 14 characters long and must contain at least one number and one letter. It is case sensitive and must be different to your previous passwords. 3. Enter a new password, your new password again (to ensure you ve typed it correctly), then click the Continue button. The current screen will be updated to display the token validation details. i To validate and confirm your password reset you must supply additional security information to authenticate your identity. 4. Enter your token password, then the six-digit number currently displayed on your token. This number changes every 60 seconds. If it changes while you re entering it, enter the new number instead. 5. 17 Passwords and Tokens Corporate Online displays the Change user password confirmation screen. 6. Click the OK button. You can now sign in to Corporate Online using your new password. Some applications require tokens Access to some Corporate Online applications requires an additional level of security. This is provided by Westpac issuing you with your own individual RSA SecurID token and by you setting a token password (in addition to your user password) to use with it. The applications that require a token to access them are: Administration (all users) Payments (for authorising users) Online FX (all users) Deposits (for authorising users) Agency (for authorising users) Tokens and token passwords Your token password must be between 6 and 8 characters long and must contain at least one number and one letter. It is set the first time you sign in to Corporate Online. Do not use characters that represent your customer number, your date of birth, your phone number, your name, or a combination of these. Token passwords are case sensitive. Your token displays a six-digit number which changes every 60 seconds. Corporate Online will ask you to enter this number and your token password on a token validation screen. Your token and token password is, in effect, your electronic signature in Corporate Online. To protect yourself and your organisation, follow these guidelines: Never reveal your token password to anyone. Keep your token in a secure place: don t leave it lying around on your desk. Treat your token with care and don t expose it to extreme temperatures. Lost or stolen tokens If you lose or misplace your token, or it is stolen, you must notify Westpac as soon as possible by calling the Corporate Help Desk. The Corporate Help Desk will cancel your token and arrange for a new one to be issued. Your new token will be sent by courier to one of your organisation s Corporate Online administrators. If you cancel a token, you will not be able to access applications that require a token until your new replacement token is activated. Introducing Corporate Online Page 17 of 34

18 Passwords and Tokens Reissuing a token may incur a fee. Resetting your token password If you have forgotten your token password or were attempting to sign in and entered the wrong password three times in a row and have been locked out, call the Corporate Help Desk, and ask for a token password reset. Only the Corporate Help Desk can reset token passwords: this cannot be done by your Corporate Online administrators. The Help Desk will verify your identity and then reset your token password. When you sign in, you will need to re-activate your token. You may also need to supply new security questions and answers. Refer back to Signing In for the First Time on page 6 if you need help with any of these tasks. Procedure: Changing your user password You can change your user password at any time. Corporate Online will force you to change it at least every 90 days. Start from anywhere in Corporate Online. 1. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. 2. From the left-hand navigation menu, select Maintain/update > User password. Corporate Online displays the Change user password screen. i Your new password must be different to your previous passwords. 3. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. 2. From the left-hand navigation menu, select Maintain/update > Token password. 21 Security Security In addition to the basic information on this page, please review the security and related sections of the Corporate Online Product Disclosure Statement. If you need additional documentation about Corporate Online security, ask your Westpac relationship manager. In-built security measures are an important part of Corporate Online, but you also play a key role in safeguarding your organisation s online information. There are a number of steps your organisation should take to protect its computers, systems and networks. These can help you avoid infection from viruses, Trojan keyboard logging software and other problems such as hoax s and spyware. We do not recommend the use of Corporate Online unless your organisation has antivirus, firewall, and spyware protection on its computers and networks which is managed and updated regularly. If you re unsure about the security of your network, we suggest you speak with your organisation s IT management, or seek security advice from appropriately recognised authorities in the security industry. When you sign in to Corporate Online using your customer number and password, all of the actions performed in that session are audited against your customer number and are deemed to have been performed by you. Never share Corporate Online sessions. If a colleague needs to look something up, sign out and insist they sign in under their own customer number. If you leave your computer on, or forget to sign out when you have finished a Corporate Online session, you will be timed-out automatically after a set period of inactivity. 22 Security If you need to change the timeout from the default setting (10 minutes), ask your Corporate Online administrators for a Corporate Online Amend Session Timeout form available from the user guide section of the Administration application. Alternatively, ask your Westpac relationship manager for a Corporate Online Amend Session Timeout form. You should do this in consultation with your Corporate Online administrators. 23 Your Default Application Your Default Application If you have access to more than one application in Corporate Online, you can set a default application so that each time you sign in, you start with that application displayed. This can save you time and hassle. Each user can set their own default application. Procedure: Setting a default application Start from anywhere in Corporate Online. 1. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. 2. From the left-hand navigation menu, select Maintain/update > Default application. Corporate Online displays the Change your default application screen. 3. Set your preferences by selecting them from the drop down lists displayed. 4. Click the Submit button. Corporate Online updates your settings. This will not affect the preferences set in any other of the applications (e.g. Accounts, Payments). i Most Corporate Online applications allow you to set a default screen and other preferences which control what is displayed each time you navigate to that application. See each application s user guide for more details on what preferences can be set and how to set them. Introducing Corporate Online Page 23 of 34

24 Messages Messages Corporate Online includes a facility to allow Westpac to issue messages advising you of important information about using Corporate Online. The next time you sign in to Corporate Online after a message has been issued you will be automatically directed to the list of unread messages. Before a message is opened it will be highlighted with a red font colour. After the message is closed it will appear with a black font colour. Westpac may also issue you a message that requires your urgent attention. If this type of message is issued, it will be displayed in full and require you to have read the content of the message before it can be closed. Procedure: Reviewing your messages You can review your messages at any time, including any you have already read (provided they re still current). Start from anywhere in Corporate Online. 1. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. 2. From the left-hand navigation menu, select View > Messages. Corporate Online displays the Messages screen. 3. To display and/or print a message (if any are displayed), click on a Message title link. 26 Your Details Your Details Corporate Online provides the ability for you to view details of your profile and to amend some of the information yourself including your phone numbers, address and security keyword. To access this screen you must supply additional security information to authenticate your identity. This will be achieved by entering your token details if you have a Corporate Online token and where you don t have a token you will be asked to enter your security keyword. Procedure: Accessing Your details Start from anywhere in Corporate Online. 1. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. 2. From the left-hand navigation menu, select Maintain/update > Your details. If you don t have a token, please skip to step 4. Corporate Online displays the Token validation screen. 3. Enter your token password, then the six-digit number currently displayed on your token. This number changes every 60 seconds. If it changes while you re entering it, enter the new number instead. Click the validate link. Skip past Step 5 to i. 4. Enter your security keyword, then click the Continue button. Introducing Corporate Online Page 26 of 34

27 Your Administrators Corporate Online displays the Your details screen. i The Your details screen displays a summary of your Corporate Online profile and includes information on your hours of access, session and password expiry timeframes, address, work phone, fax and mobile numbers, applications including your authority level and any limits you have been assigned. From this screen you can amend your phone numbers, work address and your security keyword. All other details of your profile are managed by your organisation s administrators. Procedure: Amending your phone numbers, work or security keyword Start from the Your details screen 1. Click in the box of the field that you want to amend 2. Enter the details for this field e.g. work phone number or work address and click or tab out of the field 3. Click on the Save my changes button Corporate Online displays a changes saved message on the screen and your updated details will appear. Your Administrators Corporate Online provides the ability for you to view the names of your organisation s administrators who can assist you to manage your Corporate Online profile and access. Start from anywhere in Corporate Online. 1. From the left-hand navigation menu, select Your settings. Corporate Online displays the Your settings screen. Introducing Corporate Online Page 27 of 34

28 Your Administrators 2. From the left-hand navigation menu, select View > Your Administrators. Corporate Online will display the names of administrators in your organisation who have access to initiate an update to your profile. The administrators that have specific local access to your Corporate Online office will appear towards the top of the list. Administrators who have access to all offices for your organisation e.g. super access will appear towards the bottom of the list. Introducing Corporate Online Page 28 of 34

29 Quick Reference Guide: The Basics Quick Reference Guide: The Basics Signing in for the first time 1. Use your browser to navigate to the Corporate Online sign in page. 2. Enter your customer number, and password (from PIN mailer) then click sign in. 3. Change your password Enter your current password, then your new password twice, tick the box to acknowledge the privacy statement, then click Continue. 4. Click OK. If you don t have a token, go to step Activate your token Enter a token password twice, then the 6-digit number from your token, then click Continue. 6. Click OK. 7. Enter two security questions and answers, your security keyword then click Continue. 8. Click OK. 9. Use the left-hand navigation menu to access an application. i Never use the back button to move around in Corporate Online. 10. When you ve finished, sign out Click Sign Out. 11. Close your internet browser. Procedure: Signing In for the First Time (p6) Signing in 1. Use your browser to navigate to the Corporate Online sign in page. 2. Enter your customer number, and password (from PIN mailer) then click sign in. If your password has expired, Change your password Enter your current password, then your new password twice, then click Continue, then click OK. If unread messages are displayed, click on the title link to read message, then click Continue. Resetting your user password If you do not have a token, contact one of your Corporate Online administrators. If you have a token reset your password online. 1. From the Corporate Online sign in page, click on the Forgotten your password? link. 2. Enter your customer number and your date of birth then click Continue. 3. 31 Glossary Glossary The following terms are used in the Corporate Online user guides. Accounts (application) Accounts is a Corporate Online application that provides features to view, export, and report on account information including transactions, balances and voucher images. Activating (a token) Activating a token is when a user signs in to Corporate Online with their token for the first time and sets their token password. Administration (application) Administration is a Corporate Online application that allows administrators to manage a Corporate Online setup, including the creation of users, on behalf of an organisation. Adobe Reader Adobe Reader is a piece of software that allows you to view and print a PDF file. Adobe Reader is available for free from Adobe s website ( Application An application is a high level group of functionality offered by Corporate Online. Authoriser An authoriser is a user whose authority level allows them to authorise a task created by a user in Corporate Online (e.g. to authorise payments). Browser A browser is a piece of software that allows you to view pages over the internet. Corporate Online administrator A Corporate Online administrator is a user within your organisation who has access to Administration and can manage the assignment of applications, features, accounts, and services to users and offices within your organisation. Default application A default application is the application that Corporate Online displays after a user successfully signs on. It is set by each user. Feature Filter Office A feature is a logical group of application functionality offered by Corporate Online. A filter is something you apply to a long list to view only a subset of that list. An office is a flexible logical entity used to segregate payments, billing, beneficiaries, templates, and trade finance agreements within an organisation in a Corporate Online setup. Organisation An organisation is the highest level entity that can be represented in a Corporate Online setup. Payments (application) Payments is a Corporate Online application that provides features to create, authorise and track a wide range of payment types including transfers, domestic payments, international payments, payments from accounts held with alliance banks, and payments with files (e.g. Direct Entry). 32 Glossary PDF PDF stands for Portable Document Format, a widely used format for printable documents. A PDF file is usually referred to as a PDF. PDFs can be viewed and printed with Adobe Reader. Preferences Preferences define a set of default values (e.g. screens, offices, accounts) for a particular user for a particular application. Preferences are not available in Administration. Receipts (application) Receipts is a Corporate Online application that provides features to view, export, and report on receivables information for EFTPoS, RECall, INDISH, DERPS, including transactions and voucher images. Research (application) Research is a Corporate Online application that provides access to strategic market information, economic insights, and financial forecasting. Security keyword Your security keyword is a word set by you that is used to identify you when you call the Corporate Help Desk for assistance or when accessing certain screens in Corporate Online. Session Setup Token In the context of Corporate Online, a user s session is the connection that starts with the user successfully signing in and ends with the user either signing out or being signed out automatically after a timeout. A setup is how a customer s business structure is established in Corporate Online to control access to information (e.g. account transactions), services, products and features. A token is an RSA SecurID device used in conjunction with a password to validate a user s identity during sign in. Token access Token access means a user needs a token to access a particular application. Token access is required for Administration (all users), Online FX (all users), Payments (authorisers), Deposits (authorisers) and Agency (authorisers). Token password A token password is the password entered with the current number on the user s token to authenticate the user before they can access those applications that require token access. Token passwords must be between 6 and 8 characters, must contain at least one letter and one number, and are case sensitive. User A user is person nominated by the administrator(s) to access Corporate Online for viewing, entering, or authorising transactions. A user may be a creator, an authoriser, or a creator/authoriser. User password A user password is the password entered with a user s customer number to sign in to Corporate Online. User passwords must be between 8 and 14 characters, must contain at least one letter and one number, are case sensitive, and must be changed every 30 days. Welcome letter A welcome letter is sent to a new Corporate Online user to notify them of the eight digit customer number they will use to sign in to Corporate Online.
