2 Supported versions CRM 2011 Online and On-Premise CRM 2013 Online and On-Premise CRM 2015 Online and On-Premise CRM 2016 Online and On-Premise Trial No license is needed for trial, it is automatically in trial mode until you have purchased license. Limits of trial mode: Bulk merge up to 10 rows per bulk detection One duplicate detection rule License Activation To activate purchased license, you need to send us the license name. Open CRM and navigate to Settings -> Extensions -> Cowia Licenses If there is already one record created then open it and send the value of field Name to If there is no record then click on New Cowia License and click Save The Name field will get generated value, send the value to The value looks something like this: When you get the activation code, insert the code in field Activation Code and click Save

3 Valid license will look like this: YouTube Video This same tutorial can be seen as video from this link: Setup with example This is example for setting up duplicate detection for contacts on address. 1. First step is to disable the default duplicate detection in CRM. Navigate to Settings -> Data Management -> Duplicate Detection Settings Clear the checkbox to disable it.

Create duplicate detection rule Navigate to Settings -> Extensions -> DD Rule and click on New Explanation of fields: Name This will be the name of the rule Source Entity This is the entity where the duplicate detection will run from and compare data from Target Entity This is the entity where the duplicate detection will match source entity data against. Result View It will show columns from this view when displaying duplicates Run As User This if you want the duplicate detection to scan data based on specific users role Trigger This is when duplicate detection will run Allow Save Duplicate This is if duplicates are allowed to be created. Selecting No then it will run server-side and client-side. Selecting Yes then it will run only on client side

5 Run as system This is if you want to scan the whole CRM for duplicates, it will as default scan for duplicate based on the users role, if it is run as system then it will scan data also that the user don t have access to, the user wont be able to open the record, only view that there is duplicate and can contact the owner to share the record. Include Inactive This is if you want to scan inactive records in CRM for duplicates Entity Filter Here you can filter on which records you want to run bulk detection on, for example: Check for duplicates on all accounts that has been created this year or start with letter A etc. You can filter records using existing system view or fetch XML. For this example, type Contact Duplicate on in Name field Select Contact in Source and Target Entity Select Active Contacts in Result View Click Save Should look like this: Next step is to add which fields it will use for finding duplicates. In this example we are looking for duplicates on address. Click on Add DD field record Explanation of fields: Name This will be the name of the field rule Source Field - This is the field from source entity where it will compare data from

6 Target Field This is the field from target entity where it will compare data to Field Type Only for information Trim Text This is if you want to remove empty space before and after text Remove Whitespace This is if you want to remove all spaces from the text Text Comparison: This is how you want to compare data for source and target field Text Comparison N This is only used if you select First N letters or Last N letters in text comparison. Here you will type the numbers of characters that you want to compare. For an example, if you select First N letters and set value 4 in Text Comparison N then it will search for duplicates where first 4 values are the same in the field.

7 For this example, type in Name Select field in Source and Target Field, if the field is named something else in your system, then you will find it by the name. Leave the rest of fields as default and click on Save & Close

8 Now we have duplicate detection for contacts based on field. It should look like this: 3. Activate duplicate detection result window To show the duplicate detection window, you must add it to the entity where you want to show it. Navigate to Settings -> Customizations -> Customize the System -> Entities -> Contacts -> Forms Select the forms that is being used, if you have more than one form that is being used, you will do the same for all of them. Open the form and click on Form Properties Under Form Libraries click Add and search for Cow_ Find the cow_/duplicatedetection.js and click on Add

9 Under Event Handlers, select Event OnSave and click Add Type DuplicateDetection.onSave in Function and check the box Pass execution context as first parameter and click OK It should look like this: Save and publish.

10 4. Security Role For non-administrator users, you will need to add the Duplicate Detection security role. You can do this for all users at the same time, click on Settings -> Security or Administration -> Users Select all users and click on Manage Roles, select Duplicate Detection role and click OK Duplicate Detection Administrator role is for users that are not system administrators but need access to create duplicate detection rules, run bulk detection and bulk merge.

11 The duplicate detection is now ready to use. You can test it with creating new contact with existing in CRM and you should get duplicate window like this:
