1 Procedure # RPT-1 Detail General Ledger Report Created By Carolyn Maricque 8/22/09 Updated 9/19/12 GENERAL LEDGER REPORT OVERVIEW DETAIL GENERAL LEDGER REPORT 1. General The Detail General Ledger Report is one of many customizable general ledger reports that can be generated in New World Systems Logos.NET. The Detail General Ledger Report allows the user to run the activity in all accounts by journal or in detail. If the report is run in detail by selecting the subledger detail, transactions such as PCard activity from Accounts Payable is included in the report. There are three additional reports that can be run by account type. The General Ledger Listing includes balance sheet accounts, the Revenue Ledger Listing includes revenue accounts, and the Expense Ledger Listing includes expense accounts. The account activity can be summarized to one line in selection criteria for the account type reports, but the remaining options are the same as the Detail General Ledger Report described in this procedure. 2. Definitions Organizations The structure of an account used to identify a reporting area. The organization will have up to four levels: Fund, Department, Division, and Cost Center. Sub Ledger Module of the financial system where the detail is recorded. IE. Accounts Payable, Purchasing, etc. 3. 2 The Detail General Ledger Report can be customized to meet the reporting needs of the user by determining which options to select when generating the report. Detail General Ledger Options: Overall Options: Load Saved Report If the same report using the same criteria is run on a regular basis, this option allows the report to be saved and named something meaningful to the user. The next time the report is run, it can be found in the Load Saved Report field by clicking on the drop down box. After selecting the report, it will be loaded and any necessary changes can be made and it can be printed. Distribution Group Allows access for a group of users to be established for a saved report. Group Provides the ability to the report to individuals. At this time this option is not available. Override Report Title Enables a standard report to be renamed when printed, so it is more specific to the report being printed. Criteria: From Date Enter the beginning date of time period you wish to run the report from. For example if you want to only print July activity, enter 07/01/2009 in this field. If you want to print the entire year, enter 01/01/2009 in this field. To Date Enter the ending date of time period you wish to run the report through. If you were running the ledger for the close of July, enter 07/31/2009. Include Accounts with No Activity If selected, allows accounts to be included in the report that do not have activity. If left blank, accounts without activity will not be printed. Sub Ledger Detail If selected prints detail descriptions and activity from sub-ledgers such as Accounts Payable. If not selected only the summarized journal entries from the subledgers will be printed. Procedure #: RPT-1 Page 2 of 6

3 Page Break Level Select what organization level (fund, department, division, or cost center) the report should use as a point for a page break. Under the Organizations tab, select the organization set(s) you wish to generate the report for by double-clicking on the organization set number(s) or highlighting the line and clicking on the selection arrows. Navigate to the Account tab by clicking on it. Procedure #: RPT-1 Page 3 of 6

4 Under the Accounts tab, select the account(s) you wish to include in the report by double-clicking on the account number or highlighting the line and clicking on the selection arrows. If you wish to run the report for all accounts, click on the double selection arrows to move all accounts to the selected field. If you wish narrow your search or run the report on a certain type of an account; select the type asset, liability, fund equity, revenue, or expense. If you wish to run the entire type, click on the double selection arrows to move all accounts from the selected type of account to the selected field. Navigate to the Sub Ledgers tab by clicking on it. Procedure #: RPT-1 Page 4 of 6

5 Under the Sub Ledgers tab, select the sub-ledger(s) you wish to include in the report by doubleclicking on the sub-ledger or highlighting the line and clicking the selection arrow. The Accounts Payable Sub-ledger includes PCard activity. If you wish to run the report for all sub-ledgers, click on the double selection arrows to move all accounts to the selected field. In order to view the detail of the sub-ledger, the ledger needs to be selected. Enter a name in the Override Report Title field to make the report title more specific. Select Print to generate the detail general ledger report to your screen. The report will appear as a new browser window. Procedure #: RPT-1 Page 5 of 6
