7 Before You Begin Overview The DM Fax Server is the core of the Imecom Group s Fax Server and Document Messaging product line. It is a rules-based messaging engine that runs on Windows Server architecture. The DM Fax Server is comprised of two main components - the DM Server messaging engine and the DM Fax Gateway (fax boards and lines). The DM Fax Server can be extended with the multiple remote Fax Gateways, as well as other modules such as DM Fax Connectors, DM Application Connectors, connectors for multi-function devices (MFPs), connectors for Document Management Systems, DM Web Fax Client, DM Fax Archives, DM Alarms, and DM Fax Statistics. Items covered in this guide include: Verify and install general and specific pre-requisites. Start the installation process using the auto-run feature. Install and configure a typical DM Fax Server system. Install and configure Fax Connectors Install and configure DM File Connectors Install and Configure Imecom Desktop Fax Client Configure inbound fax routing rules Create and assign fax cover pages Uninstall DM Fax Server server and client components General Prerequisites The prerequisites for installing the Imecom DM Fax Server software are as follows: The host machine is running Windows Server 2008/2003/2000 Server Operating System Standard, Advanced, or Enterprise Edition. You should be logged on to the machine designated to host the Imecom software with a user account that has local administrator privileges. Domain user permissions may also be granted if the DM Fax Server is connected to a domain. The DM Fax Server software requires connection to a network. If no network is available, a loop-back connection is required. If the DM Fax Server is to use a PCI-based fax board, the fax board should be installed into the host machine prior to running the Imecom software setup process. Installation of the Dialogic Brooktrout Fax Board Software and Drivers is covered in this guide. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 1

8 1. Install New Imecom Fax Server NOTE: You must be logged in to the host machine with a user account that has Local Administrator privileges. If the account used is not a Local Administrator, the setup process will return an error and will not complete successfully. The host machine must also be connected to a network, or at minimum have a loop-back connection configured. Getting Started 1. If installing from CD media, insert in the Imecom CD and allow the autorun procedure to commence. If installing from a downloaded package, extract the contents of the original ZIP file and run install.exe to launch the Main Menu. NOTE: It may be necessary to execute install.exe with elevated permissions (Run as Administrator) in certain Windows Server environments. Main Menu Items: Extract Installation Files Install and Configure Fax Gateway Drivers: Install Imecom Fax Server Software: Tools: Display Documentation: Quit This will extract the core installation files for the server setup process. This will display a submenu with options for installing fax gateway drivers for physical fax boards, virtual fax driver software, and Cloud Fax Services. This will launch the main Imecom Fax Server setup process. This will display a submenu with additional tools that may be needed for your Imecom Fax Server deployment. This will display a list of documentation available in your installation package. This will close the Main Menu. 9 Installing Fax Gateway Drivers If you are installing a new Imecom DM Fax Server system, it is necessary to first install the Fax Gateway Drivers. Examples of Fax Gateway drivers include Dialogic Brooktrout TR1034 and SR140 drivers, XCAPI drivers, and Imecom Hybrid Cloud Fax (etherfax) drivers. 1. From the Main Menu, click Install and Configure Fax Gateway Drivers to display the Fax Gateway Drivers submenu. 2. Select the appropriate driver installation option for your fax server deployment. Install Dialogic Brooktrout Fax Driver The Dialogic Brooktrout fax driver is required for proper operation of Dialogic Brooktrout fax board hardware and SR140 virtual-mode fax board software. NOTE: If you are installing an Imecom Fax Server with an older Brooktrout TR114 series fax board, SKIP THIS SECTION and proceed to the section on Installing DM Fax Server. TIP: It is normal for the Dialogic Brooktrout fax board(s) to appear as Unknown Devices in Windows Device Manager. Dialogic Brooktrout drivers should not be installed using Windows Plug and Play. 1. From the Fax Gateway Drivers submenu, choose Install Dialogic Brooktrout Fax Driver. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 3

10 2. The Dialogic Brooktrout Runtime Software setup process commences. Proceed through the Dialogic Brooktrout Runtime Software setup process and click FINISH when setup concludes. 3. Reboot the machine. 4. If your DM Fax Server system uses a Dialogic Brooktrout TR1034 or TruFax series fax card, you may proceed to the section on Installing DM Fax Server. If your DM Fax Server system uses the Dialogic Brooktrout SR140 virtual-mode fax board software for fax over IP (FoIP), follow the instructions outlined in the next section to activate your Brooktrout SR140 software. Activating the Dialogic Brooktrout SR140 The Dialogic Brooktrout SR140 software requires a license key and a license file to function. Before you install the Imecom Fax Server software, it is necessary to first activate the Brooktrout SR140. Trial and/or Production license keys can be obtained from your Imecom Account Representative. NOTE: If you have not yet received a license key, please stop here and contact Imecom Group at (603) or imecomsales@imecominc.com. Your Account Representative will assist you with obtaining a valid SR140 license key. NOTE: This prerequisite only applies if you are installing the Imecom DM Fax Server with the Dialogic Brooktrout SR140. If you have not purchased or do not intend to use the Brooktrout SR140, you may skip this section. Detailed instructions for installing, activating, and configuring the Brooktrout SR140 software can be found on Dialogic s website here: This guide provides basic instructions for a typical activation procedure. For detailed instructions, please reference the official Dialogic documentation. 1. Click Start > Programs > Brooktrout and select the Brooktrout License Manager Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 4

11 2. Click the Activate button. 3. At the License Activation Wizard welcome screen, click NEXT. 4. At the Activation Method screen, you can choose a method for activating your SR140 software. (This guide assumes the host machine is connected to the Internet). Select the option for Automatic activation and click NEXT. 5. At the License Keys screen, click the Add button and enter your SR140 license keys into the available field. Repeat this process for all SR140 license keys you have. 12 6. At the Product Registration information screen, click NEXT. 7. At the Product Owner s Information screen, enter information into all of the required fields, and click NEXT. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 6

13 8. At the second Product Owner s Information screen, enter information into all of the required fields, and click NEXT. 9. The License Activation Wizard will attempt to activate your SR140 license key(s) over the Internet. If activation is successful, you may click NEXT and conclude Setup. If your activation fails, you will have the option of re-entering your license key(s) and retrying activation. Install XCAPI Virtual Fax Driver The XCAPI Virtual Driver from TE-Systems is used for real-time fax over IP. 1. From the Fax Gateway Drivers submenu, choose Install XCAPI Virtual Fax Driver. 2. Select the desired language, and click NEXT. This guide assumes English is the selected language. 3. At the Welcome screen, click NEXT. 4. You must accept the XCAPI license agreement before proceeding with the installation. To accept the license agreement, click YES. To decline, click NO to terminate the setup process. 5. Select the destination folder to which the XCAPI software will be installed, and click NEXT. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 7

14 6. Enter a new Program Folder name for the XCAPI software, or select an existing Program Folder from the list, and click NEXT. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 8

15 7. An installation progress screen will be displayed. During this process, a command prompt window will open. Depending on your Windows Security settings, you may be presented with a dialog box requesting authorization to install the XCAPI software. Click INSTALL to continue. 8. When setup has completed, you have the option to configure the XCAPI software after setup closes. To do this, check the Configure XCAPI Now option and click FINISH. Otherwise, Click FINISH. By default, the XCAPI virtual driver installs with a 30-day trial license, and therefore there is no license activation procedure required. It is, however, necessary to configure the XACPI virtual driver prior to installing the Imecom Fax Server software. For instructions on configuring the XCAPI virtual driver with your IP telephony equipment or service, please refer to the official XCAPI documentation located here: Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 9

16 Configure Imecom Cloud Fax Settings Imecom Hybrid Cloud Fax Solution deployments leverage the etherfax driver for communicating with Hosted Fax Service infrastructure. The etherfax driver must be configured prior to installing the Imecom Fax Server software. 1. From the Fax Gateway Drivers submenu, choose Configure Imecom Cloud Fax Settings. 2. On the General tab, enter the Account Number, Username, and Password supplied to your by your Imecom Account Representative. NOTE: If this server accesses the Internet via a proxy server, navigate to the Proxy tab and input your proxy server information prior to validating your credentials. 3. If this is a single fax server deployment, no additional information is required. If this is an Active/Active fax server deployment, navigate to the Advanced tab and select the option for Active -> Active from the Service Instance list box. 17 4. On the General tab, click APPLY, then click VALIDATE. 5. A successful account validation will return a Connection Success dialog box. An unsuccessful account validation will return a Connection Failed dialog box. If you receive a failure, ensure that your account credentials were entered correctly, and confirm that the fax server has an active Internet connection. 6. 18 Install Imecom Fax Server Software 1. From the Main Menu, choose Install Imecom Fax Server Software. 2. The first stage of the installation process creates the Imecom directory structure, registry entries, and copies the files from the CD into the Imecom directories. The default path should be sufficient, however you may change it as needed. Click NEXT. 3. At the Welcome to the Setup program screen, click NEXT. 19 4. At the Installation Requirements screen, you may review all system requirements for DM Fax Server. Click NEXT. 5. At the Services Installation/Uninstallation screen, you will see the DM Fax Server components available for installation. 20 Local installation directory for services: Shared directory for Imecom programs: Services: DM Server Controller: DM Server Processing Unit: Fax Gateway/Services: Setup will copy the program files required by the DM Fax Server to the directory specified in this field. Enter the complete path to the directory. The default directory should be sufficient. This is the directory to which Setup previously copied the DM Fax Server program files. This field is not editable. The available options are based on the files that were present on the installation CD or package and were copied to the DM Fax Server machine during the initial part of the setup process. Required services for a functional DM Fax Server include the Controller, Processing Unit, and Fax Gateway. This component controls message ID assignment and polling functions. This component is essentially the workhorse of DM Fax Server. It does all the processing and conversion of messages in accordance with the rules set up by the system administrator. This component consists of the fax board(s) and fax line(s) portion of the DM Fax Server system. The Fax Gateway typically resides on the DM Fax Server, however it is possible to install Remote Fax Gateways on other machines. 6. Check the DM Server Controller, DM Server Processing Unit, and Fax Gateway/Services checkboxes, and click NEXT. 7. The Imecom DM Fax Server requires databases to store configuration information and message data. Here you can choose which database platform to use. 21 NOTE: The database selection dialog box will only appear during new installations of DM Fax Server software. If you are upgrading from a previous version, the database mode will carry over from the previous DM Fax Server installation. Microsoft Access: SQL Server: Oracle: This option will employ Microsoft Access databases for the DM Fax Server. This is recommended for smaller installations where a SQL Server is not present, or the use of MSDE/SQL Express is not applicable. This option will employ Microsoft SQL Server databases for the DM Fax Server. This mode is recommended for most installations. If a SQL Server is not available, SQL Express or MSDE may be used. This software is available on the Imecom CD under the Tools option of the Main menu and may also be downloaded directly from Microsoft s website. This option will employ Oracle databases for the DM Fax Server. NOTE: Oracle client connectivity is not installed by DM Fax Server. Oracle ODBC Driver and Oracle OLEDB Provider must be installed before installing DM Fax Server or an Imecom Fax Client. If you have chosen Microsoft Access, you may proceed to the next section. For SQL Server or Oracle installations, please use the following instructions. SQL Configuration: a. Select the SQL Server instance you intend to use for DM Fax Server and click NEXT. b. The next two screens allow you to choose the type of authentication to use - Windows authentication or SQL authentication. The authentication in the first screen is used only by this Setup procedure to create and initialize the databases. The authentication in the second screen will be used by the Imecom services during the normal operation of DM Fax Server. 22 You may use either method of authentication provided the following conditions are met: Windows Authentication SQL Authentication The current Windows session account used to perform this installation (of DM Fax Server) should have sufficient permissions on the designated SQL Server to create and manage the Imecom databases. This account should already exist on the SQL Server and have the appropriate permissions to create and manage the Imecom databases. c. Make your selection for this screen and the two authentication screens and click NEXT. Oracle Configuration: a. Select the ODBC driver to be used and enter the Network Service Name in the spaces provided, then lick NEXT. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 16

23 8. A user account must be designated to start the Imecom services. This account should have local administrator privileges on the DM Fax Server host machine, and should be a member of the Domain Users group if a Windows domain is present. Setup should automatically fill in the User Name and Domain fields. Verify that this information is correct, then enter and confirm the password for the account in the User Name field, and click NEXT. User Name Domain Name: Password: Confirm Password: Enter the user account name assigned to start the Imecom DM Fax Server services. This account should be the same as the one currently logged in to Windows and used for this installation process. Enter the name of the computer or domain in which the above user account is declared. Enter the password for the user account specified in the User name text box. Confirm the password previously entered. 24 9. The account you specified will be granted the Log on as a service permission. You will see a dialog box confirming this. Click OK. 10. Setup will now attempt to determine if up-to-date versions of MDAC and MMC are installed. If so, Setup continues to the next step. If MDAC and/or MMC are not detected, or outdated versions are found, Setup will attempt to update to current versions. 11. The Registry Server contains all the data shared by the DM Server Controller and the DM Server Processing Unit Services. By default, Setup with use the host machine as the Registry Server. You may change this as needed. Click NEXT. Registry Server: This field is used to indicate the name of the Registry Server. Imecom recommends using the default value, which is the name of the computer on which the DM Fax Server is installed. 12. An installation progress gauge appears as the DM Server Controller and DM Server Processing Unit services are created and installed. 13. The next steps in the installation process involve installing and configuring the Imecom Fax Gateway, which is the service that manages the fax board(s), drivers, and fax channels (lines). A series of Fax Gateway installation screens will appear. Click NEXT at each screen until you advance to the fax board auto detection screen. 25 14. Setup should automatically detect the fax card installed in the DM Fax Server host machine and therefore accepting the defaults here should suffice. Once your fax board(s) has been detected, click NEXT. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 19

26 The following represent fax gateway component commonly detected: SR140 CAPI Card EFAX Card TruFax/TR1034: Represents an instance of the Dialogic Brooktrout SR140 Virtual Driver. Represents an instance of the XCAPI Virtual Driver. You will also see the number of active fax channels/ports displayed. Represents an instance of the Hybrid Cloud Driver/Service. You will also see the number of active fax channels/ports displayed. Represents a Brooktrout TR1034 or TruFax PCI fax board. NOTE: If nothing appears in the lower text area, Setup was unable to detect the presence of a fax gateway driver. There are several possible causes for this: 1. The Dialogic Brooktrout SR140 software was not installed or a license has not been activated. 2. The XCAPI software was not installed or configured prior to installing the Imecom Fax Server software. 3. The Cloud Fax Settings were not properly configured prior to installing the Imecom Fax Server software. 4. The fax board is improperly seated in its PCI slot or the fax board driver is not installed. 15. The Line Configuration screen will be displayed. If XCAPI or EFAX components were detected, no additional configuration is required at this point. Click NEXT to continue. 27 NOTE: If you do not have a Dialogic Brooktrout component, you may skip the next section and proceed to end of this Chapter. Configuring Dialogic Brooktrout Components 16. If a Brooktrout SR140 or TruFax/TR1034 component was detected, select the card (model) from the Card dropdown list and click NEXT. 28 For example, P4 indicates a 4-port SR140, P4H-T1 indicates a 4-port T1 card, and P4-4L indicates a 4-port analog card. NOTE: If you have more than one fax board, you must select the board type for each fax board used. 17. The Brooktrout configuration tool will now launch automatically. You have the option of configuring the fax board in Wizard Mode or Advanced Mode. This guide assumes Advanced Mode is used. Click the Advanced Mode button. 29 TDM Analog Deployments a. At the Configure IP Stack screen, choose None and click OK. b. Next, you will see the Advanced Mode configuration interface. No changes are necessary. 35 2. Upgrading the DM Fax Server When upgrading to the latest release of DM Fax Server, it may be necessary to update the Dialogic Brooktrout fax board software/drivers as well. In this case, the existing Imecom DM Fax Gateway Services and older Dialogic Brooktrout software will need to be removed before the upgrade is applied. This guide assumes that an upgrade to the Imecom DM Fax Server includes upgrading the Dialogic Brooktrout software. Uninstall DM Fax Gateway and Dialogic Brooktrout Software 1. Run the Install/Uninstall Fax Services program from Start > Programs > Imecom. TIP: You may also run the setup program, SETUPSVR.EXE, from the Imecom\IFBIN\I386 folder on the DM Fax Server machine. 2. Advance through several screens until you reach the Components Selection screen. 3. Uncheck Fax Gateway\Services only - leave all others checked. 4. Proceed through the uninstall process until it has completed. 5. When the Imecom Setup process has concluded, open Windows Control Panel > Windows Add/Remove Programs and uninstall the Dialogic Brooktrout Runtime Software. 36 6. Proceed through the Dialogic Brooktrout Runtime Software uninstall wizard until it finishes. 7. Reboot that machine. NOTE: If you are replacing an older fax board with a new one, you should do so now. 1. Power off the server machine. 2. Remove the old fax board, and insert the new fax board. 3. Power on the server and login to Windows. If the Windows Found New Hardware wizard launches and detects the new fax board, cancel out of the wizard. The fax board drivers will be installed through the Imecom software setup. Install the New Dialogic Brooktrout Fax Driver 1. If installing from CD media, insert in the Imecom CD and allow the autorun procedure to commence. 41 6. At the Services Startup Account screen, a user account must be designated to start the Imecom services. This account should have local administrator privileges on the DM Fax Server host machine, and should be a member of the Domain Users group if a Windows domain is present. Setup should automatically fill in the User Name and Domain fields. Verify that this information is correct, then enter and confirm the password for the account in the User Name field, and click NEXT. 42 7. The account you entered in the previous screen will be granted the Log on as a service permission. You will see a dialog box confirming this. Click OK. 8. The next steps in the installation process involve installing and configuring the Imecom Fax Gateway, which is the service that manages the fax board(s), drivers, and fax channels (lines). A series of Fax Gateway installation screens will appear. Click NEXT at each screen until you advance to the fax board auto detection screen. 44 The following represent fax gateway component commonly detected: SR140 CAPI Card EFAX Card TruFax/TR1034: Represents an instance of the Dialogic Brooktrout SR140 Virtual Driver. Represents an instance of the XCAPI Virtual Driver. You will also see the number of active fax channels/ports displayed. Represents an instance of the Hybrid Cloud Driver/Service. You will also see the number of active fax channels/ports displayed. Represents a Brooktrout TR1034 or TruFax PCI fax board. NOTE: If nothing appears in the lower text area, Setup was unable to detect the presence of a fax gateway driver. There are several possible causes for this: 1. The Dialogic Brooktrout SR140 software was not installed or a license has not been activated. 2. The XCAPI software was not installed or configured prior to installing the Imecom Fax Server software. 3. The Cloud Fax Settings were not properly configured prior to installing the Imecom Fax Server software. 4. The fax board is improperly seated in its PCI slot or the fax board driver is not installed. 10. The Line Configuration screen will be displayed. If XCAPI or EFAX components were detected, no additional configuration is required at this point. Click NEXT to continue. NOTE: If you do not have a Dialogic Brooktrout component, you may skip the next section and proceed to end of this Chapter. 52 3. Getting Familiar with DM Fax Server This chapter provides an overview of the main DM Fax Server Administration Console and the main functions of the DM Fax Server software. The Setup process created the Imecom DM program group under the Windows Start Menu, and added Administration shortcut to the Windows desktop. To launch the DM Fax Server Administration Console MMC, click Start > Programs > Imecom DM > Administration. DM Fax Server Administration Console (MMC) The DM Fax Server offers a central MMC console for managing the entire DM Fax Server system. Here, the DM Fax Server system administrator can create and configure integration connectors, view and manage logs, create and assign cover sheets, configure inbound and outbound faxing rules, etc. The DM Fax Server Administration Console MMC has three snap-ins installed by default. DM Server: DN LDAP/Data DM Fax Gateway: This snap-in pertains to the DM Fax Server, or messaging engine. This snap-in pertains to Imecom s DM LDAP Connector This snap-in pertains to the fax gateway service, fax boards, drivers, and fax lines. 53 DM Server Snap-in The DM Server snap-in allows the fax server system administrator to configure and manage the DM Fax Server from one central interface. The following nodes are available under the DM Server snap-in: Controller: Processing Unit: Automatic Forwarding: Schedules: Connectors: Least Cost Routing: Activity Log: Cover Pages: User Rights: Delayed Transmission: Send Log: Receive Log: Pending: The DM Server Controller Service is responsible for controlling message ID assignments and polling functions. The DM Server Processing Unit is responsible for all the processing and conversion of messages in accordance with the rules set up by the system administrator. Automatic Forwarding Rules dictate how DM Fax Server processes and routes inbound faxes. Rules may execute in an either/or fashion or simultaneously. Schedules allow the DM Fax Server system administration to implement scheduling of particular fax jobs. The node where the DM Fax Server system administrator will create and configure connectors, e.g. fax connectors and file connectors. Least Cost Routing rules dictate how DM Fax Server processes and routes outbound faxes. Least Cost Routing (LCR) is typically used in configurations where a Remote Fax Gateway(s) is present. This is a log of every event and action that occurs on the DM Fax Server. The node used to assign fax cover pages to all users, individual users, or groups of users. The node used to assign specific permissions or restrictions to fax users. The node used to configure delayed sending for specific fax jobs. Delayed transmission typically works in conjunction with Least Cost Routing rules. Full log of all faxes sent via the DM Fax Server. Full log of all faxes received by the DM Fax Server. List of faxes pending transmission. DM LDAP/Data Snap-in The DM LDAP/Data Connector enables the DM Fax Server to connect to LDAP directories and databases primarily for dynamic cover page field population and more efficient cover page assignment and management. The DM LDAP/Data Connector can connect to Microsoft Active Directory, Lotus Domino Directory, Novell edirectory, and other LDAP-enabled directories. Instructions for configuring the DM LDAP/Data Connector can be found in this guide. DM Fax Gateway Snap-in The DM Fax Gateway snap-in displays all fax gateways belonging to a DM Fax Server. 54 In a typical installation, the fax gateway, or fax board(s), resides in the DM Fax Server host machine. However, it is possible to setup Remote Fax Gateways. A Remote Fax Gateway is a separate computer that runs the Imecom DM Fax Gateway services and hosts one or more fax boards. 55 Determining Your DM Fax Server Version To determine the version number of your DM Fax Server deployment: 1. Open the DM Fax Server Administration Console. 2. With the DM Server snap-in highlighted, click Help > About DM Server. 3. A dialog box will display the version number. You can also find the version number of each Imecom snap-in by highlighting each snap-in and accessing the Help menu. 56 4. DM Fax Server License Activation The Imecom DM Fax Server software carries a server license as well as a fax channel/port license. By default, you will have 30 days from the date of installation to activate the software. If the software is not activated within the 30 days, the DM Fax Server will cease to function. To obtain a valid production license, visit and submit a request for a license. A representative from Imecom will respond shortly with your license information. License Activation 1. Launch the DM Fax Server Administration Console MMC and expand the DM Fax Gateway snap-in until you see the name of the server hosting the Imecom DM Fax Gateway software. 2. Right-click on the server and choose License Management. 3. In the DM Fax Gateway License Management window, click Update. 57 4. Enter your license information into the available fields and click OK. 5. If the license information was entered correctly, you will see a dialog box indicating success. 58 5. Configuring DM Fax Server for Microsoft Exchange This chapter applies to Microsoft Exchange 2010/2007/2003/2000. While DM Fax Server offers multiple integration options for Microsoft Exchange, Imecom strongly recommends using the SMTP Fax Connector option. The SMTP Fax Connector allows end users to send and receive faxes using Microsoft Outlook and Outlook Web Access (OWA). The SMTP Fax Connector supports both SMTP-style addressing and the Microsoft FAX address space (a.k.a. IMECAFAX). Both address styles are covered later in this chapter. This chapter provides information on prerequisites, installation, and configuration of the SMTP Fax Connector for Microsoft Exchange environments. General Prerequisites The prerequisites for creating the SMTP Fax Connector are as follows: 1. The DM Fax Server and SMTP Fax Connector must reside on a Windows 2008/2003/2000 Server. 2. Windows Internet Information Services (IIS) must be installed and running on a Windows Server accessible by the DM Fax Server. Imecom recommends installing Windows IIS on the DM Fax Server. 3. A Default SMTP Virtual Server must be installed and running on the server running Windows IIS. The Default SMTP Virtual Server is part of Windows IIS, however it is not always installed automatically with IIS. You may need to install the Default SMTP Virtual Server manually through Windows Add/Remove Programs. 4. An Exchange SMTP Send Connector must be created on the Microsoft Exchange Server. 5. An Alias domain must be created on the server running the Default SMTP Virtual Server. This Guide assums that Windows IIS and the Default SMTP Virtual Server is installed and running on the DM Fax Server. Creating an Alias Domain 1. Launch the Windows IIS Manager. Expand the Local Computer tree, and then expand the Default SMTP Virtual Server tree. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 52

59 2. Right-click on Domains and choose New > Domain. 3. Select the Alias option and click NEXT. 4. Enter the name of your domain and click FINISH. NOTE: If you elect to use SMTP style fax addressing, e.g. you will also need to create an alias SMTP fax domain in IIS. To do this, repeat Steps 1-3, but in step 4, enter the name of the fax domain, e.g. faxserver.com. Creating a Microsoft Exchange 2010/2007 SMTP Send Connector using Exchange Management Console When implementing the Imecom DM Fax Server and SMTP Fax Connector in Microsoft Exchange 2010/2007 environments, you can configure a Microsoft Exchange SMTP Send Connector so that outbound fax messages are delivered to the DM Fax Server for processing. 60 In Microsoft Exchange 2010/2007, there are two possible methods for create a Microsoft Exchange SMTP Send Connector: 1. Using Microsoft Exchange Management Console 2. Using Microsoft Exchange Management Shell The Exchange Management Console includes a wizard for creating Exchange SMTP Send Connectors and therefore is more user-friendly. However, this wizard limits you by only allowing SMTP Address Types to be specified, e.g. faxserver.com. This wizard cannot be used to specify Microsoft FAX Address types. Click here for instructions on creating a Microsoft Exchange SMTP Send Connector using the Microsoft Exchange Management Shell. 1. Launch Exchange Management Tools. Expand Organization Configuration > Hub Transport and click on the Send Connectors tab. 2. The New SMTP Send Connector wizard will launch. Enter the name of the new SMTP Send Connector and select Custom in the intended use for the Send Connector drop-down list box. 61 3. In the Address Space window, click the Add button and enter the SMTP fax domain. This is the domain you previously created/will create in Windows IIS and the domain to which users will address outbound fax messages. You can name the fax domain anything you want, e.g. fax.com or fax.domain.com where domain.com is your mail domain. 4. 62 5. Click Add and enter the IP Address of the Imecom DM Fax Server machine. 6. In the Source Server window, click Add and select the source Microsoft Exchange server. Installation, Configuration, and Administration Guide for Imecom DM Fax Server v8.3x 56

63 7. The last window is a summary of the New SMTP Send Connector. Review and click Finish. 8. Restart the Microsoft Transport Hub Service. Restarting this service will ensure that the Send Connector is available immediately. If you prefer not to restart this service or cannot restart this service, you can wait until the new Send Connector propagates throughout your Exchange system. The Microsoft Exchange 2010/2007 SMTP Send Connector is now created. Any messages addressed to the SMTP fax domain you specified in Step 3 will be relayed to the DM Fax Server machine. Creating a Microsoft Exchange 2010/2007 SMTP Send Connector Using the Exchange Management Shell It is necessary to define address spaces dedicated for faxing on the Microsoft Exchange Server, and then configure relaying based on those address spaces. This is how outbound messages intended for fax delivery get from Outlook to the DM Fax Server. The instructions apply to Microsoft Exchange 2010 and TIP: It is possible to create an SMTP Send Connector from the Exchange Management Console, however you cannot add the FAX address space. You may only add SMTP address spaces. If you intend to use the Microsoft FAX address space to address outbound fax messages, the Send Connector must be created using the Exchange Management Shell. If you do not intend to use the Microsoft FAX address space and instead would prefer to use an SMTP domain for faxing, please click here for instructions on creating an SMTP Send Connector using Exchange Management Console. 64 1. Open Exchange Management Shell from Start > Programs > Microsoft Exchange. 2. In the console, enter the following command with your specific server information, and then press Enter. new-sendconnector <name of connector> -SourceTransportServer:<exchange server> -DnsRoutingEnabled:$false Smarthosts:[IP address of machine where DM Fax Server is installed] NOTE: Square brackets around the IP Address are required Example: new-sendconnector FAX SourceTransportServer: Exch2007 -DnsRoutingEnabled:$false Smarthosts:[ ] 3. When prompted for AddressSpaces[0]: type: FAX:* 4. Press enter again. If you wish to add more address spaces, such as SMTP-type domains, continue to add them. For example, faxserver.com would create the address space faxserver.com which can be used for SMTP style addressing. 5. When you are finished adding address spaces, press enter twice. You should see a screen similar to this: 6. To verify that the connector has been created successfully, open the Exchange Management Console from Start > Programs > Microsoft Exchange. When the Console is open, expand Organization Configuration and click on Hub Transport. Next, click the Send Connector tab. You should see the new SMTP Send Connector listed. Creating a Microsoft Exchange 2003/2000 SMTP Send Connector 1. Open Exchange System Manager from Start > Programs > Microsoft Exchange. 2. Expand Administrative Groups > First Administrative Group > Routing Groups > First Routing Group. Right-click on Connectors and select New > SMTP Connector. Make sure the IP address is enclosed in square brackets. You may also specify the server name here instead of the IP Address. 5. Click the Add button. 6. 72 6. Configuring DM Fax Server for Lotus Notes The Imecom Lotus Notes Fax Connector allows you to integrate desktop faxing into Lotus Notes . End users will be able to send and receive faxes using their Lotus Notes clients and Lotus inotes. This Guide refers to creating a Lotus Notes Fax Connector to be used with Lotus Notes R7. DM Fax Server supports Lotus Notes versions R8, R7, R6, R5, and R4. General Prerequisites The prerequisites for creating the Lotus Notes Fax Connector are as follows: 1. The DM Fax Server and Lotus Notes Fax Connector must reside on a Windows 2008/2003/2000 Server. 2. The DM Fax Server cannot be installed on a Domino Server. 3. A Notes Mail database and Foreign Domain must be created before the Imecom Lotus Notes Fax Connector is created. 4. A Lotus Notes client must be installed on the DM Fax Server host machine. 5. Make sure that VIM32.DLL is present in the Notes directory on the DM Fax Server. Creating the Notes Mail Database A Notes Mail database needs to be created so that fax messages can be passed from Lotus Notes to the DM Fax Server. When creating the Notes Mail database, Imecom recommends using the Notes client dedicated to the DM Fax Server. If another Notes client/user, e.g. the administrator, is used to create this Mail database, this user must grant manager rights over the new database to the DM Fax Server Notes client. The Mail database is created using the Mail (R7.0) template supplied with Lotus Notes. For previous versions of Lotus Notes, use the mail template for that version. This template should be located on a Notes server that can be accessed by the Notes client installed on the DM Fax Server host machine. 1. To create the Mail database, launch the Notes client on the DM Fax Server. 2. From the File menu, select Database > New. This chapter provides information on prerequisites, installation, and configuration of the SMTP Fax Connector for Novell GroupWise environments. General Prerequisites The prerequisites for creating the SMTP Fax Connector for Novell GroupWise are as follows: 1. The DM Fax Server and SMTP Fax Connector must reside on a Windows 2008/2003/2000 Server. 2. Windows Internet Information Services (IIS) must be installed and running on a Windows Server accessible by the DM Fax Server. Imecom recommends installing Windows IIS on the DM Fax Server. 3. A Default SMTP Virtual Server must be installed and running on the server running Windows IIS. The Default SMTP Virtual Server is a component of Windows IIS, however it is not always installed by default. You may need to install the Default SMTP Virtual Server manually through Windows Add/Remove Programs. 4. An Alias domain must be created on the server running the Default SMTP Virtual Server. 5. ConsoleOne should be installed on the DM Fax Server machine. 6. A GroupWise Internet Agent (GWIA) must installed and running on your Novell GroupWise server. The GWIA can be the same one used for normal internet . This Guide assumes that Windows IIS and the Default SMTP Virtual Server are installed and running on the DM Fax Server and a single GWIA is being used. Creating an Alias Domain for Fax 1. The GroupWise Internet Agent supports the use of a route.cfg file to specify destination SMTP hosts. To set up a route.cfg file: 1. Create the route.cfg file as a text file in the domain\wpgate\gwia directory. (if a route.cfg file already exists, edit the existing file). 2. Add an entry for each SMTP host you want to send to directly. The entry format is: alias domain [IP Address of Imecom DM Fax Server] Example: fax.com [ ] 3. Make sure to include a hard return after the last entry. In addition, the IP address must be incased in square brackets as shown in the example above. 4. Save the route.cfg file. 5. Restart the GWIA. 92 9. Configuring the DM File Connector The Imecom DM File Connector allows you to route inbound faxes to a local folder on the DM Fax Server or to any folder on your LAN/WAN. Faxes can be routed to folders in TIFF or PDF format. General Prerequisites The prerequisites for creating an Imecom File Connector are as follows: The File Connector must have permission to write to the destination folder. A File Connector can only write to one folder. When routing to more than one folder is required, you must create more than one File Connector (one for each folder). Creating the File Connector 1. Launch the DM Fax Server Administration Console MMC and expand the DM Server snap-in. Right-click on Connectors node and choose New > File. 2. The New Imecom File Connector screen appears. File Connector Properties If you need to configure specific settings for the File Connector, click the Properties button. Here, you may customize the properties of the File Connector. There are settings for file naming, splitting fax files, launching external applications, etc. Once your settings are configured, click OK to return to the main File Connector dialog box. TIP: After the File Connector is created, you may go back adjust the properties by expanding the Connectors node in the DM Fax Server Administration Console MMC, right-clicking on the File Connector, and selecting Properties. Installing the Imecom Desktop Fax Client The Imecom Fax Manager desktop fax client software is a client software component that can be installed onto end user workstations to provide inbound and outbound desktop faxing. The Fax Manager desktop fax client software functions like a Windows printer, and is included in the DM Fax Server solution. General Prerequisites The prerequisites for installing the Imecom Fax Manager desktop fax client are as follows: A Fax Client user account must be created on the DM Fax Server prior to installing the Fax Manager desktop fax client Creating Fax Client User Accounts 1. Launch the DM Fax Server Administration Console MMC and expand DM Server > Connectors and right-click on Imecom Fax Client. 2. On the Imecom Fax Client Connector tab, click the User Accounts button. This field is limited to 39 characters and each prefix is separated by a comma. This field is optional. You may skip this step if desired. 10. In the Fax Number field, enter the fax number for the user. If fax DID numbers are used, this is the field in which DID numbers are assigned. This field is optional. 99 11. In the Company field, enter the name of the company. This field is optional. You may skip this step if desired. 12. In the Type of User field, check the box to assign the user account the adequate level of permissions. The default permission for Fax Client user accounts is User. To grant administrative permissions to a user account, i.e. ability to view global fax queue, global send log, global receive log, etc., check Administrator. NOTE: The Manager permission is reserved for the Fax Server account. The Fax Server account uses the directory IFSECRET. Do not assign any user account as a Manager. 13. Check/uncheck the Sending Allowed box to allow/restrict outbound faxing for the user. By default, this option is enabled. 14. In the User Group section, you may assign the user to a particular group. Click the Group Management button to add/remove groups. To assign a user to a group, select the group from the list box. 15. When all required information has been entered, click OK to create the Fax Client user account. 16. Repeat this procedure for all Fax Client users. You are now ready to install the Imecom Fax Manager Desktop Fax Client software onto each end user workstation. Installing the Desktop Fax Client To install the Fax Manager desktop fax client onto end user workstations: 1. Run the installation program SETUPWKS.EXE located in the Imecom\IFBIN\I386 directory on the DM Fax Server machine. If you need to install other client-based components, either on the DM Fax Server or on end user workstations, follow the steps outlined in this section. Using Fax Client The Imecom Fax Manager desktop fax client allows end users to send and receive faxes from their desktop PCs and workstations. The fax client installation process creates the Faxil printer under the Windows Printers list. Users are able to send faxes by printing to the Faxil printer driver. NOTE: The Fax Client setup process adds the Fax Manager item to the Imecom DM program group and the Startup program group under the Windows Start menu. If you do not want the Imecom Fax Client to open upon Windows startup, delete the Fax Manager item from the startup group under the Windows Start Menu. Following the Fax Client setup process, you will see the Fax Client in the Windows Task Bar. When the Imecom Fax Manager fax client is open, it will always appear in the Task Bar. Opening the Fax Manager Fax Client Click on the Fax item in the Task Bar to open the fax client interface. If the Imecom fax Client is not currently running, it can be launched from the Imecom DM program group under the Windows Start Menu. 101 Configuring Default Settings for Sending and Receiving Faxes 1. To set default options for sending faxes, click Send > Options > Default Settings. 2. In the Transmission Defaults dialog box, configure the desired default settings for outbound fax transmission. 3. To set default options for receiving faxes, click Receive > Options > Default Settings. 4. In the Receiving Options dialog box, configure the desired default settings for inbound fax reception. Sending a Fax 1. To send a fax from the main Fax Manager interface, click Send > Send. To send a fax from a Windows-based application, i.e. Microsoft Word, open the document you want to fax, and print it to the Faxil printer. 102 2. The Send a fax tab contains various fields, including sender, recipient, subject, and note. The number and types of fields that appear in the Send a Fax tab may vary depending on the fax cover page used. The fields that are available on the selected or assigned fax cover sheet control the fields that a user will see in the Send a fax tab. Instructions for creating and assigning fax cover pages are included in this guide. 3. On the Options tab, the fax client user may set various options for individual fax jobs. Options include delaying transmission, setting priority, archiving, and selecting fax cover pages. 4. The Document tab lists the document(s) included in a particular fax job. If multiple documents need to be included in a single fax job, the Hold button can be used. Clicking the Hold button allows the user to attach multiple documents to a single fax job. 103 Receiving Faxes The DM Fax Server may be configured to forward inbound faxes to one or multiple Fax Client users. When a fax is received, a second Fax Received item will appear in the Window Task Bar. This icon will flash to notify the user that a new fax has been received. You may also configure the Fax Manager fax client to play a sound alert when a new fax is received. 1. Click on the Fax Received item in the Task Bar to open the fax client interface and view the received fax. 2. A list of newly received faxes displays. Faxes may be viewed, printed, archived, deleted, and routed to other users. Faxes may be routed to other fax client users, or to mailboxes on your server if an Imecom Fax Connector is present on the DM Fax Server. Configuring the DM LDAP/Data Connector Overview The Imecom DM LDAP/Data Connector enables the DM Fax Server to connect to LDAP compliant databases or directories to more effectively manage fax cover pages and user attributes and rights. It is not mandatory to set up or use the DM LDAP/Data Connector with DM Fax Server, however Imecom recommends using DM LDAP/Data Connectors when possible. The DM LDAP/Data Connector allows for access to LDAP compliant directories and databases to retrieve information specific to users and groups. Integrating LDAP directory access with DM Fax Server provides the following functionalities: Management of cover pages and user rights Automatic population of cover page fields Retrieval of recipient information (if recipient directories are present) Configuration of inbound fax routing based on DID/DNIS and DTMF Management of transmission routing rules Use of the DM LDAP/Data Connector with DM Fax Server requires that the databases or directories containing users and groups can be queried using the LDAP protocol. These directories can be those of the following messaging systems: Microsoft Exchange 2000 or higher when used in conjunction with Active Directory Lotus Domino 5 or higher Novell NDS/eDirectory Any non-mail system LDAP compliant database or directory Use of the DM LDAP/Data Connector with DM Fax Server can be done in either of two methods: 1. Extending the Directory Schema In this mode, it is possible to store new, specific fax attributes for individual users and groups within the system directory. This mode requires that the DM Fax Server has elevated rights to the directory. This is not the recommended method. 2. Without Extending the Directory Schema This mode, referred to as mixed mode, has the advantage of not requiring modification of the existing directory structure in any way. This mode allows managing fax attributes and rights by user or by group and is the recommended mode for use with DM Fax Server. The system directory is only read from, and an intermediate LDAP directory is created to store users and groups along with their associated fax rights and attributes. Only the mixed mode method will be covered in this guide, with specific examples of how to configure DM LDAP/Data Connectors for use with Active Directory, Lotus Notes/Domino and Novell NDS/eDirectory. Creating and using DM LDAP/Data Connectors with DM Fax Server involves configuring the following two components: LDAP Servers The term LDAP Server refers to the physical directory and the server that is hosting that directory. LDAP Connectors The term LDAP Connector refers to the logical connection to an LDAP server. Mixed mode is the only mode available when working with directories that do not support schema extension, such as Exchange 5.5 or Domino 5. It is also available with any LDAP directory where schema extension is not desired. In mixed mode, a user and group list is created in the DM Fax Server internal directory based on information retrieved from the main network directory. Group content (user membership in specific groups), however, is still managed within the main network directory. 105 Mixed mode requires configuring a local LDAP server with its associated connector along with designating a System or company LDAP server and creating its corresponding connector. This guide covers the following steps: 1. Installation of OpenDJ. This is a service and serves as DM Fax Server s internal LDAP directory. 2. Creation of an LDAP server representing the DM Fax Server s internal LDAP directory and an LDAP connector with which it is associated. 3. Creation of an LDAP server for the main network directory and an LDAP connector with which it is associated. 4. Creation of an Imecom default user whose attributes (cover page, rights ) will be used in the case of conflicts between user groups, or if the user cannot be found. 5. Configuration of the fax parameters and rights for the desired groups or users. 6. Configuration of Imecom Fax Connectors to use the LDAP connectors created above. (By default Fax Connectors use the settings defined under the User Rights and Cover Pages entries that appear under DM Fax Server Administration.) Installing OpenDJ It is necessary to install the OpenDJ software that is distributed with the Imecom DM Fax Server before configuring DM LDAP for your main network directory. OpenDJ may be installed on any machine accessible by the DM Fax Server, however it is recommended that OpenDJ be installed on the same machine where the DM Server Controller service is running. Prerequisites OpenDJ is a Java-based directory server and therefore requires installation of Java runtime on the host machine. If you already have Java installed, you may skip this prerequisite and proceed to the installation steps. The latest version of Java runtime may be obtained directly from the Oracle Java website at Install OpenDJ 1. From the Imecom Main Menu, click Tools > LDAP Tools > Install OpenDJ. 114 Configuring the Imecom Schema for OpenDJ 1. Open Windows Explorer and brose to the original Imecom installation package obtained from the Imecom website. 2. Navigate to the Redist\OpenDJ folder. 3. Copy the two files named 99imecom.ldif and ImecomDS.bat to C:\imecom\OpenDJ\config\schema\. NOTE: if you elected to install OpenDJ to a different location, copy these two files to the config\schema directory located in the OpenDJ installation path. 4. Navigate to c:\imecom\opendj\config\schema\ 5. Edit ImecomDS.bat using Notepad. 6. Locate the command --hostname MY-FAX-SERVER-MACHINE- and replace MY-FAX-SERVER-MACHINE with the NetBIOS name of the server on which OpenDJ is installed. 7. Save and close the ImecomDS.bat. 8. The ImeDefaultUser is used by DM LDAP to determine default user/group configurations. When creating the imedefaultuser, add the following: Common Name (CN): Surname (SN): DisplayName (for Active Directory): FullName (for edirectory): Address: ImeDefaultUser ImeDefaultUser ImeDefaultUser ImeDefaultUser Enabling LDAP for Fax Connectors By default, the Imecom Fax Connectors use the Sender Rights and Cover Page assignments defined within DM Fax Server databases. To ensure DM Fax Server uses the cover page assignments and rights defined under DM LDAP, the properties of each Fax Connector installed must be configured for LDAP. 1. From the DM Server Administration Console, expand DM Server > Connectors. Right-click the desired fax connector and choose Properties. 2. 131 3. Under Sender Information, select LDAP <network directory connector> (e.g. LDAP Active Directory). 4. Under Recipient Information, you may leave the default value. Typically there will not be a directory or file containing detailed recipient information, however in such cases, either the main network directory or a separate connector to the directory store may be created and used. 5. Under Sender Rights and Cover Pages, select LDAP <network directory connector> (e.g. LDAP Active Directory). 6. If you are using DM LDAP for automatic inbound fax forwarding and least cost routing (outbound), you should also set the Forwarding and Least Cost Routing fields to use LDAP - <your network directory>. Assigning Permissions to Users and Groups While DM LDAP is primarily used for cover page assignment and cover page field population, it can also be used to assign permissions to groups and users. Permissions allow the fax server administrator to grant or restrict permissions to groups and users. NOTE: Instructions for creating and assigning fax cover pages are covered in the next chapter. 132 Applying Permissions to Groups and Users 1. From the DM Server Administration Console, expand DM LDAP/Data > Directories > Directory from <network directory>, e.g. Directory from Active Directory. 2. Click the Groups node to access directory groups. Click on the User node to access directory users. 3. Right-click on the desired group or user and choose Properties. 4. Under the Rights section, a list of permissions is displayed. By default, all values are set to <inherited>. You may edit each permission by double-clicking on the value and choosing an option from the drop-down list. NOTE: Changing the permissions of a Group will affect all members of the Group. 133 12. Fax Cover Pages Fax cover page can be created on the DM Fax Server or on a Windows machine where an Imecom Fax Manager Fax Client has been installed. Fax cover pages are typically created by the DM Fax Server system administrator. General Prerequisites The prerequisites for creating fax cover pages are as follows: If creating cover pages directly on the DM Fax Server, the Faxil Cover Page Printer must be installed prior to creating the cover page(s). If creating cover pages on a remote Windows-based workstation, the Imecom Fax Manager Fax Client must be installed on the remote workstation prior to creating the cover page(s). The Imecom Faxil or Faxil Cover Page Printer must be set to Cover Page Mode. The Imecom Faxil or Faxil Cover Page Printer must be set as the Default Printer before opening the word processing application, e.g. Microsoft Word, used to design and create the cover page(s). Overview of Cover Pages Fax cover pages can be designed in any common word processing application, e.g. Microsoft Word. Your company logo, letterhead, and specific information may be present on the fax cover page. Imecom supplies sample fax cover pages in the Imecom\IFSAMPLE\ENG directory that can be used and altered as needed. Additional templates are available upon request. Each fax cover page contains keywords or merge fields. These fields are dynamic fields that are populated by the DM Fax Server during job processing. Keyword fields must be marked with a % sign on both ends of the field. A list of available keyword fields is available in this chapter. In order for the keyword fields to function properly, each field needs to use one of three Faxil fonts. These are fonts specific to the Imecom Faxil or Faxil Cover Page printer driver and are used only during cover page creation. Available Keyword Fields It is possible to use the same fax cover page for Imecom Fax Clients, Web Clients, or Fax Connectors. For Microsoft Exchange Fax Connectors, Lotus Notes Fax Connectors, and DM Web Client, the information that is automatically placed on the fax cover page is partially taken from the address books. With two-page cover pages, the first page is called the cover page and the second page is called the continuation page. The continuation page will only be sent if the text entered into the note field on the cover page is longer than the space available. Creating Fax Cover Pages on the DM Fax Server Before you can create cover pages on the DM Fax Server, you must first install the Faxil Cover Page printer and set this printer to Cover Page mode. 1. On the DM Fax Server, open Windows Explorer and navigate to the <system root>\imecom\i386 folder. 2. Run fxl2inst.exe. 3. Click the button located under Faxil2 Installation File. 4. 135 5. Click Install to install the Faxil Cover Page printer. 6. In the Status section, you can follow installation progress. Upon successful installation, you may click Quit to close the installation utility. 7. From the Windows Start Menu, click Devices and Printers. You should now see the Faxil Cover Page printer available. 8. Right-click the Faxil Cover Page printer and select Printing Preferences. 9. In the Mode section, select the option for Cover Page. 10. Click OK. NOTE: Before you open the word processing application used to design the cover page(s), you must first set the Faxil Cover Page printer as the default. Creating Fax Cover Pages on a Remote Workstation Before you can create cover pages on a remote workstation, the Imecom Fax Manager Fax Client must be installed on that workstation. 136 Creating Fax Cover Pages You may use Microsoft Word or any other word processing program to design and create your fax cover page(s). 1. Before you open the word processing application, you must first set one of the Imecom Faxil printers as the default printer. a. If creating the cover page directly on the DM Fax Server, set the Faxil Cover Page printer as the default printer. b. If creating the cover page on a remote workstation using the Fax Manager Fax Client, set the Imecom Faxil printer as the default printer. 2. Open the cover page document in your word processing application. 3. Create the layout as you see fit, adding your logo, company letterhead, etc. to the template. 4. To add a cover page merge field, enter each merge field as it is displayed in the table listed earlier in this chapter. Merge fields begin and end with a % sign. 5. Highlight each keyword merge field and change the font so that each field uses one of three Faxil fonts: Faxil TypeFace Modern: Faxil TypeFace Roman: Faxil TypeFace Swiss: Equivalent to Courier New. Equivalent to Times New Roman. Equivalent to Arial. NOTE: Faxil fonts are only available if the Faxil printer driver is set as the default printer. Furthermore, a cover page cannot contain only keyword fields. It must have at least one character in a standard font. 137 TIP: The keyword fields set to use the Faxil fonts needed for creating cover page files can later be changed to a different font. Instructions for this are included in this chapter. 6. From the File menu, click PRINT. 7. Select the Faxil Cover Page printer if creating the cover page directly on the DM Fax Server, or the Faxil printer if creating the cover page on a remote workstation. 8. Click the Properties button and then Printing Preferences. 9. Under the Mode section, ensure that Cover Page is selected. This sets the Faxil printer to cover page mode. TIP: When the Faxil printer is set to cover page mode, it generates two fax cover page files - a.pdg file which controls the keyword fields and a.fax file which is the TIFF image overlay. 10. Click OK to close the Preferences dialog box. Print the document to the Faxil Cover Page or Faxil printer. 11. A list of all keyword fields detected in the cover page document will appear. 138 12. To change the font for each keyword field, highlight each field or select multiple fields together and click the Font button. When the Font Properties dialog box appears, you may select the desired font, font size, font weight, etc. 13. To set the date format, highlight the Date and Time keyword and click the Edit button. In the Date Format dialog box, choose the desired date format from the Format list box. You can also edit the format manually with your keypad if you wish to change the order of the date and time. 139 14. When you have finished reviewing and editing the keyword fields, click the Save button. 15. In the Cover Page Save dialog box, enter a file name for the cover page and choose the location to save your cover page. 140 TIP: The default save to location is the USERLOGO folder located in the user folder associated with the current Imecom Fax Client. To save cover pages in the main CoverPG directory, save the.pdg file to the Imecom\CoverPG directory. Adding and Assigning Cover Pages Using the DM LDAP/Data Connector When you have finished creating your fax cover page(s), you can assign the cover page(s) to users, groups, or an existing connector on the DM Fax Server, e.g. an Fax Connector. Imecom recommends assigning cover pages using DM LDAP. Adding Cover Pages in DM LDAP 1. From the DM Server Administration Console, expand DM LDAP/Data > Directories > Directory from <network directory>, e.g. Directory from Active Directory. 2. 141 3. The Cover Page Parameters screen appears. 4. In the Description field, enter a name for the cover page. In the File section, browse to and select a cover page file. 142 Assigning Cover Pages to Groups and Users Once cover pages have been added, they may then be assigned to groups and/or users. The most efficient method for assigning cover pages to users is through the use of groups. Cover pages assigned to groups are automatically inherited by group members. That said, it is also possible to assign cover pages to individual users as well. As many groups may exist within the main network directory, it is necessary to associate a default cover page with the ImeDefaultUser. This cover page will be assigned to any user who is a member of multiple groups or used in the event of a group conflict. Assigning a Default Cover Page 1. From the DM Server Administration Console, expand DM LDAP/Data > Directories > Directory from <network directory>, e.g. Directory from Active Directory. 2. Click the Users node and locate the ImeDefaultUser from the list. Right-click ImeDefaultUser and choose Properties. 3. In the Default Cover Page list, select the cover page you would like to use as the default for the entire organization. 143 4. In the Authorized Cover Pages section, check the cover page for which the ImeDefaultUser is authorized to use and click OK. Assigning Cover Pages to Groups 1. From the DM Server Administration Console, expand DM LDAP/Data > Directories > Directory from <network directory>, e.g. Directory from Active Directory. 2. Click the Groups node. Right-click on the desired Group and choose Properties. 3. In the Default Cover Page list, select the cover page you would like to assign as the default for the group. 4. In the Authorized Cover Pages section, check the cover page for which this group is authorized to use. 5. Click OK. 6. To confirm the cover page(s) assigned to the group, click the Standard Attributes tab. Here, you can see the default cover page assigned to the group. You can also review permissions/rights assigned to the group. 7. Repeat this process for all groups requiring cover page assignment. 144 Assigning Cover Pages to Users 1. From the DM Server Administration Console, expand DM LDAP/Data > Directories > Directory from <network directory>, e.g. Directory from Active Directory. 2. Click the Users node. Right-click on the desired User and choose Properties. 3. In the Default Cover Page list, select the cover page you would like to assign as the default for the user. NOTE: If a user is a member of a group, you may select <inherited> to have the user inherit the default cover page assigned to his/her group. If you want the user to have his/her own cover page different from the one assigned to a group, you may specify the cover page from the drop-down list. 4. In the Authorized Cover Pages section, check the cover page for which this group is authorized to use. You may authorize the use of more than one cover page by checking multiple checkboxes. 5. Click OK. 6. To confirm the cover page(s) assigned to the user, click the Imecom Effective Attributes tab. Here, you can see the default cover page assigned to the user as well as any additional cover pages authorized for use by the user. You can also review permissions/rights assigned to the user. 145 Assigning Cover Pages to Connectors While DM LDAP is the recommended method for assigning fax cover pages, it is also possible to assign cover pages to individual connectors present on the DM Fax Server system. Assigning cover pages this way means that any outbound fax sent via a particular connector will automatically inherit and use the cover page assigned to the connector. This method, while quick and simple, does not offer as much flexibility as DM LDAP, and therefore, Imecom recommends using DM LDAP for assigning fax cover pages. 1. Launch the DM Fax Server Administration Console MMC and expand the DM Server snap-in. Right-click on the Cover Pages node, and choose New > Cover Page. 2. 146 3. In the Value field, enter the value of a user or group within your system. 147 13. Inbound Fax Routing: Automatic Forwarding Rules Automatic Forwarding Rules are rules that control how the Imecom DM Fax Server processes and routes received faxes. You can create one or multiple Automatic Forwarding Rules on any DM Fax Server. Each Automatic Forwarding Rule has a set of conditions and actions. When the conditions of a rule are met, the actions specified in the rule will execute. With Automatic Forwarding, you can route inbound faxes to: users (individual mailboxes or shared mailboxes) Fax Client users Web Client users Local or network printers Local or network folders Outbound fax queue for re-transmission Databases Creating an Automatic Forwarding Rule 1. From the DM Server Administration MMC, expand the DM Server snap-in, right-click on the Automatic Forwarding node and choose New > Automatic Forwarding Rule. 2. 148 3. In the Description field, enter the name of your Automatic Forwarding Rule 4. In the Schedule field, the default value is sufficient. However, you may specify specific days and times for which a rule is active. Click NEXT. 5. The Rule Type screen displays. Here you can choose between three different types of rules. Always: Other: Custom: This rule will execute every time a fax is received. This rule will execute when no other rule conditions apply. Some consider this a catch all type rule. This rule has custom conditions that define when the rule will execute. Choose the type of rule you want to create, and click NEXT. (For this example, an Always Rule will be created.) 6. Enter text that will appear in the subject of the inbound fax message. Enter text that will appear in the body of the inbound fax message. Select this option if you would like to attach the received fax as an attachment. Specify the file format for the attachment. Specify the level of compression to be used for the attachment. Specify the file extension for the attachment. Select this option if you want to keep a copy of the fax attachment in the Fax Gateway mailbox. Sets high-priority status to the forwarded message. 2. 151 Routing to Printers To route inbound faxes to a printer, the printer(s) must first be installed on the DM Fax Server. Once installed, you can then configure DM Fax Server for inbound fax routing to printers. 1. Click the Printer button from the Actions dialog box. 2. Select a printer from the list box and click OK. 3. Click OK to return to the Actions screen. Click OK again to create your Automatic Forwarding Rule. Routing to Folders (File Connector) To route inbound faxes to a folder, an Imecom File Connector must be present on the DM Fax Server. Instructions for creating a File Connector are included in this guide. 1. From the Actions dialog box, click on the Mail button. Specify the level of compression to be used for the inbound fax files. Specify the file extension for the inbound fax files. Select this option if you want to keep a copy of the fax attachment in the Fax Gateway mailbox. You may leave this uncheck as it does not apply to folder routing. 2. 153 Routing to Imecom Fax Clients To route inbound faxes to Imecom Fax Client users: 1. Click the Mail button from the Actions dialog box. The Select a Recipient dialog box appears. Type: Select the Imecom Fax Client connector. Value: Specify the Fax Client user to which faxes will be routed. Click the button to select a fax client user from the list of available users. Alias: This is the full name for the user specified in the Value field. This should be automatically populated when you select a user in the Value field. Subject: You may leave this field blank. Note: You may leave this option unchecked. Attachment: You may leave this field set to the default value. Attachment Type: You may leave this field set to the default value. Attachment Compression: You may leave this field set to the default value. Attachment Extension: You may leave this field set to the default value. Keep a copy in the gateway mailbox: Select this option if you want to keep a copy of the fax attachment in the Fax Gateway mailbox. Urgent: Select this option to set high-priority status to the forwarded faxes. NOTE: The Fax Manager Fax Client software only supports viewing of TIFF files. Therefore, it is not possible to route inbound faxes to fax client users in any other format. 2. Click OK to return to the Actions screen. Click OK again to create your Automatic Forwarding Rule. 154 Creating a Custom DID Fax Routing Rule One of the most effective methods for automatic inbound fax routing is to use DID (Direct Inward Dial) numbers. DID numbers are numbers provided by your Telco and assigned to your Telco circuit(s) typically voice T1 or PRI. DID Numbers essentially serve as unique fax numbers for individual users, departments, etc. In order to properly implement DID fax routing using DM Fax Server, you need to ensure the following: Acquire DID numbers from your Telco and have them assigned to a Telco circuit(s). Assign DID numbers to users, departments, folders, etc. This is typically done through your main network directory, i.e. Microsoft Active Directory or Novell NDS/eDirectory. Assigning Fax DIDs It is necessary to assign fax DIDs to your users, departments, etc. in order for DM Fax Server to be able to route received faxes to the correct destination. DM Fax Server allows you to do this right in your main network directory. This preserves the centralization of user administration and speeds inbound fax delivery. Microsoft Exchange 2010/2007 Fax DIDs are assigned to Microsoft Exchange 2010/2007 users through Exchange Management Console. 1. Launch Exchange Management Console. 2. Expand Recipient Configuration and click Mailbox. 3. Select a user account and choose Properties from the Actions pane. 4. 155 5. In the Address field, enter the fax DID number. 6. In the Type field, enter FAXID. Click OK. 7. Repeat this process for each user account requiring a fax DID number. You may also assign fax DIDs as alias SMTP addresses. 1. From the Addresses tab, click the Add button and choose SMTP Address. 156 2. In the Address field, enter <did e.g. and click OK. Microsoft Exchange 2003/2000 (Active Directory) Fax DIDs are assigned to Microsoft Exchange 2003/2000 users in Active Directory. DIDs are assigned through Active Directory Users and Computers 1. Launch Active Directory Users and Computers. 2. Click Users in the left pane. 3. In the right-hand pane, right-click on the desired user and select Properties. 4. When the Properties dialog box appears, click the Address tab. 158 6. Click OK. Lotus Notes/Domino Fax DID numbers can be assigned to Lotus Notes users as alias usernames or as Internet addresses in the Domino Directory. 1. Launch Domino Administrator. 2. Select the People & Groups tab and then click the People item from the left-hand column. You will see a list of existing users. Novell GroupWise and NDS/eDirectory DID numbers are assigned as Nicknames in NDS/eDirectory. You may use ConsoleOne to assign the DIDs.. 1. Launch ConsoleOne and view the properties of the user to which a DID will be assigned. 2. Click on the GroupWise tab and select Nicknames from the drop-down menu. 3. Click on the Add button. 4. In the Domain PO field, browse to and select your Domain Post Office. 5. In the Object ID field, enter the DID number for this user. 6. Click OK to return to the user properties screen. 161 SMTP For SMTP users, there are a number of methods for assigning fax DIDs to users. If you use the SMTP Fax Connector with Microsoft Exchange, Lotus Notes, or Novell GroupWise, you can assign fax DIDs as alias SMTP addresses for each user in the main network directory. For other SMTP server applications, fax DID numbers are assigned as alias SMTP addresses wherever address configuration and management is performed. Consult your SMTP server documentation for instructions on how to create alias SMTP addresses. Fax Client Users For Fax Client users, DID numbers are assigned through the User Accounts section of the Imecom Fax Client connector properties. 1. Launch the DM Fax Server Administration Console MMC and expand the DM Server > Connectors. 2. Right-click on the Imecom Fax Client connector and select Properties. 3. Right-click on Automatic Forwarding and choose New > Automatic Forwarding Rule. 3. The New Rule dialog box appears. In the Description field, enter a name for this Automatic Forwarding Rule and click NEXT. 4. In the Rule Type dialog box, select the Custom option and click NEXT. 165 At the Conditions screen, you can specify the conditions that will cause DM Fax Server to execute the Automatic Forwarding Rule. In the Field list box, choose DID or ISDN depending on the type of telephony service used. NOTE: The DID value is typically used with Robbed-bit T1 service. The ISDN value is typically used with PRI ISDN service. Make sure you specify the correct value based on the type of digital circuit used. 5. 166 7. Click the Add to list button and then click NEXT. TIP: You have just created the condition DID is greater than 0. This effectively means DM Fax Server has captured DID digits to be used for routing. With DID routing, digits will always be captured, so this rule will execute for every fax received. However, the captured digits may not be the same for every received fax, so this rule may have different actions based on the captured digits. NOTE: DM Fax Server Automatic Forwarding Rules are very flexible. You can add multiple conditions and actions. To add multiple conditions, set your first condition and click the Add to list button. Then set a second condition and click the Add to list button. Repeat this process until all conditions are added. 8. In the Actions screen, specify the action(s) that DM Fax Server will take when the conditions of this rule are met. This guide covers DID routing for users. 9. Click the Mail button. TIP: This %DID% or %ISDN% keyword value will change each time a fax is received. When a fax is received, DM Fax Server captures the dialed digits, typically the last three or four digits. It then plugs the captured digits into the %DID% wildcard field. TIP: It is possible to include DM Fax Server commands in the Subject and/or Note fields if the Automatic Forwarding Rule Actions. 170 Importing/Exporting Automatic Forwarding Rules DM Fax Server offers the ability to import and export Automatic Forwarding Rules and Fax Gateway settings to and from.mdb files. This is useful when upgrading an existing DM Fax Server system or re-installing a new instance of DM Fax Server on a new server. Exporting Automatic Forwarding Rules 1. Launch the DM Fax Server MMC Administration Console. 2. Right click on the DM Server node and select All Tasks > Rules Import/Export. 3. In the Rules import/export screen, you can select the information to export. Select the Rules option and then click the Export button. 4. Specify the file name for the MDB file and the location to which this file will be saved. Click SAVE. 5. The Rules import/export dialog box reappears. In the Rules import screen, expand the item(s) marked with a + sign. Double-click on the rule(s) that you want to import and click the Import button. Outbound Fax Attachment Conversion The Imecom DM Fax Server is capable of rendering outbound file attachments to fax (TIF) format on the fax server itself, or on a remote end user workstation. If rendering at the workstation level is required, a local fax printer driver needs to be installed on each workstation that requires print-to-fax functionality. When rendering occurs directly on the DM Fax Server, no local fax driver or client software is required on any workstation. The DM Fax Server handles rendering at a server-level automatically. The rendering process is a simple print process. The Imecom Processing Unit is responsible for rendering file attachments to fax (TIF) format. A few small pre-requites are required in order for server-side rendering to complete successfully. General Prerequisites The prerequisites for server-side rendering re as follows: A file association needs to be created between the underlying Windows Operating System and a file extension or type. This is typically done by installing a program that create a file association with a file type. For example, when installing Microsoft Word on a Windows Operating System, a file association is created between the Microsoft Word program and.doc and.docx file types. This file association needs to exist before the Imecom DM Fax Server can execute server-side rendering. The program installed to create the file association must be able to execute print shell commands. Most readerlevel applications are capable of this, but not all. For example, Adobe Reader can be installed to facilitate serverside rendering of PDF file attachments, however the Microsoft Office reader cannot be used as it does not support print shell commands. When installing these programs, you should do so while logged in to the server as the user that is set to start the Imecom services. In general, Microsoft Office or a minimum of Microsoft Word and Microsoft Excel should be installed on the DM Fax Server. If you need to fax PowerPoint or Visio files, install those programs on the DM Fax Server. For rendering PDF file attachments, install Adobe Reader 8 or 9.x, or Foxit PDF Reader. After each program has been installed, launch each program to disable any first-run dialog boxes. Disable all automatic update options for each program. For Adobe Reader, opt out of the Improvement Program Options under the Help menu. For Microsoft Excel 2007 and later, set your Macro security settings to Enable All Macros. Install the Windows Desktop Experience through Server Manager if rendering of image files (JPG, GIF, etc.) is required. 174 15. Uninstalling the Imecom DM Fax Server At times it may be necessary to uninstall the Imecom DM Fax Server software, connectors, and/or the Imecom client software components. This chapter covers uninstalling server and client components. NOTE: When uninstalling DM Fax Server, you must first remove all Connectors that exist on the DM Fax Server system. If you do not remove all connectors prior to uninstalling DM Fax Server, you will receive an error message during the uninstall process. Removing Connectors 1. Launch the DM Fax Server Administration Console MMC and expand DM Server > Connectors. 2. Right-click on each connector and choose Delete. 3. A warning dialog box will prompt you to confirm deletion of any automatic forwarding rules associated with the connectors. Click YES. 175 4. Repeat this process for all connectors. Uninstalling DM Fax Server Client Components 1. To uninstall any and all Imecom client software components, run the install/uninstall program SETUPWKS.EXE located in the Imecom\IFBIN\I386 directory on the DM Fax Server machine. 2. In the Component Choice dialog box, uncheck the client components that you wish to remove, and click NEXT. NOTE: The DM Server Administration component is installed through the server setup process, and therefore must be removed through the server uninstall procedure. 3. 176 4. A progress bar will display, followed by a Setup is finished dialog box. 5. Click OK to complete the uninstall process. Uninstalling the DM Fax Server The Imecom DM Fax Server may be removed through Windows Add/Remove Programs or by running the SETUPSVR.EXE program located in the Imecom\IFBIN\I386 directory on the DM Fax Server. TIP: SETUPSVR.EXE is the setup program for DM Fax Server server-side components. This Guide assumes DM Fax Server is removed using Windows Add/Remove Programs. NOTE: Before you begin the uninstall process, you must delete all connectors that exist on the DM Fax Server. To do this, launch the DM Fax Server Administration Console MMC, expand the DM Server snap-in, and then expand the Connectors node. Right-click on each connector and select delete. 1. 177 2. Select Use it Messaging and click the Change/Remove button. If removing DM Fax Server version 8.0 or older, select Imecom DM and click the Change/Remove button. 3. The Imecom Setup process commences. Proceed through setup until you reach the Services Installation/Uninstallation screen. 4. Uncheck all check boxes for complete DM Fax Server removal, or only those check boxes representing the server components you wish to uninstall, and click NEXT. Appendix 1 Configuring a Fax Domain in DNS When implementing the Imecom DM Fax Server and SMTP Fax Connector, it is necessary to configure a method for which outbound messages intended for fax delivery are routed to the DM Fax Server. You can do this through your server application or through DNS instead. To configure DNS, you must first create an Alias Domain for fax. This Guide assums that Windows IIS and the Default SMTP Virtual Server is installed and running on the DM Fax Server. Creating an Alias Domain for Fax 1. Launch the Windows IIS Manager. Expand the Local Computer tree, and then expand the Default SMTP Virtual Server tree. 2. Right-click on Domains and choose New > Domain. The New SMTP Domain Wizard launches. 182 3. Select Alias option and click NEXT. 4. Enter the name of your new fax domain. When your users send faxes from their clients, they will address outbound fax messages to this domain. Therefore, Imecom recommends naming the fax domain something simple to remember and type. Click FINISH. Your fax domain is now created. Configure DNS 1. Launch DNS management. 183 2. The New Zone Wizard will launch. You may accept the default values until you reach the Zone Name screen. At the Zone Name screen, enter the name of the alias fax domain created through Windows IIS in the previous section of this appendix and click NEXT. 3. Continue through the wizard accepting all default values until the Wizard finishes. 4. Return to DNS Management. 184 5. In the Fully Qualified Domain Name (FQDN) field, enter the IP address of the Imecom DM Fax Server and click OK.. Be sure to enclose the IP address in square brackets, e.g. [].
