1 P a g e 1 Accuterm 7 Usage Guide Most if not all computers on our campus have Accuterm 7 already installed on them. To log in, you will double click the icon on your desktop that looks like the one shown below: This version of Accuterm does not require that a session be configured so if you see a blank window after double clicking the icon you may still have the older version of Accuterm installed on the computer you are using. Once you double click the icon noted above you should see a GUI or graphical user interface Accuterm Script window pop up requesting your username and password. This application is network dependent so that means it uses your network or campus computer username and password. When that password expires and you change it make sure to use the new password with Accuterm as well. Sometimes this log in prompt takes a moment to load and you may the normal Accuterm log in prompt appear in the character based window.
2 P a g e 2 Once you have logged in, you will see a main selector window with menu items based on your level of permissions. It should look something like this: Not all users will see the same menu items. Navigate to each item by typing the number at the blinking cursor next to the word OFF and press ENTER. If you select the wrong number press ENTER again and you will be returned to the previous menu. Most of the modules in Accuterm are now GUI or have a graphical user interface but if you happen to be in character based module like the one illustrated below, type END and press the ENTER key to go to previous menu screen. More than likely you will not be using a non-gui module.
3 P a g e 3 When searching for a record in the character or GUI module types you can type the Id-No, name, SSN or birthdate to locate it. To search by name use this format LastName,FirstName no space after the comma. (i.e. Geo,Cla (you can use a portion of the whole name to do the search if you don t know how to spell the whole name.) Navigating within specific areas of Accuterm such as data records requires understanding data. Specific job training is provided by each department. Some fields are table driven while others are not. In any character based module the view for records will look like the screen below. Most users won t be using any character based modules. Skip to page five to see an example of a GUI screen and its uses. Many modules are now in GUI format and each requires jobs specific training. This tutorial is simply to get you logged in and cover some general use aspects of using Accuterm. For the character based modules a table driven field type = and press ENTER key to see codes that can be entered in such a field. The record below is just a test record from the Registrar Module (not the Registrar Module is now in GUI so you won t be able to see it in the character based format. For instance in the major field or item #39 in the screen below is a table driven field: When the = symbol is entered in the field and the ENTER key pressed. A new screen will appear with information about all major codes that can be keyed into the major field.
4 P a g e 4 The information to the left includes all codes that can be entered into the major field being viewed in this example. You do not enter the description for fields that are table driven. This is information you will become more familiar with as you progress in your job training. To see more codes on this screen for the particular table driven field you have entered = for simply press the ENTER key or N for next and L for last screen. To exit and go back to the record, type in all caps END and press ENTER key. This works for other table driven fields in the character user interface. If you are using a GUI or graphical user interface a drop down menu replaces this feature. To exit a record without saving changes simply type the letter A in caps at the Action prompt and press ENTER. You will see this message. Type a Y in all caps and press ENTER key to exit record successfully. Tips and Tricks: If you are in a field and want to erase contents of field, type an asterisk and press ENTER key. To move to a previous field type \ the backslash key and press the ENTER key you will move to the previous field. To move to the next field simply press the ENTER key. Entering the exclamation point! and pressing the ENTER key while in any field of a record will exit the record without saving changes as well.
5 P a g e 5 At the action or blinking cursor you can type a question mark? and press the ENTER key to find out more about what options can be entered. See illustration below: A list of code options appears. The examples and instructions in the previous pages came from the Registrar Module before it was converted to GUI or the Graphical User Interface. This contrast will allow you to see the difference in viewing a record in the character based interface and the GUI interface. Here is a brief review of how to search and view a student record in GUI in the same module. Most users will not be granted permission to change student record information. That is usually done only by the registrar staff. The same concept applies here. To search for a student record in any of the sub-categories on the left for the Registrar module you will double click the menu item you want to search under then on the right where it reads Look for a Student, type in the search criteria. You can search by name, ID, & SSN and also network id. Type a portion of the last name or all of it, enter a comma, no space, then a portion or the whole first name. Press enter to allow the system to search.
6 P a g e 6 If your search locates multiple results, you ll see a list of names that match your entered information. This usually only happens during a last name and first name entry. ID numbers & SSN are unique and only one record should appear. When only one record matches your search criteria, the application will launch open the record for you. When a list is presented you must double click on the record that is a match or you think is a match. This depends on all available information you have for the student. Once you ve opened the selected record you ll note you have several tabs. In the character based system, you had to page through to see all the record data, GUI uses tabs to simplify the view and allows you to open multiple student records. To exit a record simply click the Exit button. To save your changes and close the record click Save. To Save the record with out closing it, click on File and select Save- Keep Open. Never select Delete unless you work in the Registrar office. You can also use the picture icons to save, print, undo your changes or reset the record to how it was previously before your changes (the curly arrow), exit the record (door w/ arrow), and send printed correspondence to word merge (little paper icon). correspondence feature is an advanced use documented in a different tutorial.
