1 PRACTICAL EXERCISE 1.1.6b PLAN, SELECT & USE APPROPRIATE IT SYSTEMS & SOFTWARE 1. Explain the purpose for using IT. EXPLAIN THE PURPOSE FOR USING IT a) Explain the type of document that is to be produced in this exercise by reading through the whole of the task. 3 PRACTICAL EXERCISE 1.1.6b OBJECTIVES Creating a forecast Break-Even chart for the company. In this exercise you will consider how to create a Break-Even chart for the company. It is assumed that you are an accounts clerk whose job it is to create the document based on the following information provided by your line manager. SALES INCOME (1999) - FORECAST No. OF ITEMS SOLD INCOME FROM SALES ( ) FIXED COSTS ( ) INSTRUCTIONS 1. Start the Microsoft Excel program. 2. Open the workbook called ACCOUNT, select Options and Enable this content. 3. Name a worksheet in the Account workbook. NAMING A CHARTSHEET Double-click on the Sheet19 tab at the bottom of the screen to select an empty worksheet Type BREAK-EVEN as the sheet Name and then press the Enter key 9

4 4. Copy the details from the Sales Forecast worksheet to the Break-Even worksheet. COPYING DATA FROM ONE WORKSHEET TO ANOTHER Select the SALES FORECAST worksheet Highlight the cells A1:F5, the Sales Forecast information Click the Copy button on the ribbon Select the BREAK-EVEN worksheet tab Place the cursor in cell A1 Click the Paste button on the ribbon and AutoFit Column Width 5. Copy details of the Selling and Cost Prices of goods sold from the Stock Items worksheet to the Break-Even worksheet. COPYING DATA FROM ONE WORKSHEET TO ANOTHER Select the STOCK ITEMS worksheet - %age increase should be 15 Highlight the cells A25:E35, the Selling and Cost Price data Click the Copy button on the ribbon Select the BREAK-EVEN worksheet tab Place the cursor in cell A15 Click the Paste button on the ribbon 6. Name the Selling Price and Cost Price range of cells to be used in formulae. NAMING A RANGE OF CELLS - SELLING_PRICE Select the Formulas tab Highlight the range of cells C16:C25 Select Define Name, type SELLING_PRICE as the Name in the workbook and then click OK NAMING A RANGE OF CELLS - COST_PRICE Highlight the range of cells E16:E25 Select Define Name, type COST_PRICE as the Name in the workbook and then click OK N.B. These names are linked to the Break-Even page of this workbook. 7. Use formula to determine the profit made per item sold and the total profit made from selling ONE of each item in the catalogue. USE FORMULA TO DETERMINE THE PROFIT MADE PER ITEM Select the Home tab In cell F15 type the new heading PROFIT In cell F16 type the formula =SELLING_PRICE-COST_PRICE N.B. The profit made on selling one item is given by Selling Price - Cost Price. Copy this formula down column F for all cells from F16 to F25 by dragging the small plus pointer + down the column, thus calculating the profit made for each item in the catalogue 10

5 With cells F16:F25 highlighted select Format, select Format Cells, choose the Number tab, select the Category Number, set the Decimal places to 2, then click OK USING THE AUTOSUM FUNCTION Place the cursor in cell F26, click the AutoSum on the ribbon and press the Enter formula =SUM(F16:F25) In cell E26 type the label TOTAL NAMING A SINGLE CELL - TOTAL_PROFIT key to accept the button Select the Formulas tab Place the cursor in cell F26 the Total Profit made from selling one of each item of stock Select Define Name, type TOTAL_PROFIT as the Name in the workbook and then click OK 8. Format the details just entered as per the rest of the Stock Items table. CREATING A BORDER AROUND THE DATA Select the Home Highlight cells E15:F26 tab, select Format Cells, choose the Border tab, click to select the Style and then Presets Inside, then click OK Highlight cells E15:F26, select Format Cells, choose the Border tab, click to select the Style and then select Presets Outline and OK Highlight cells E15:E25, select Format Cells, choose the Border tab, click to select the Style and then Border Left, then click OK USING SHADING FOR THE HEADINGS Place the cursor in cell F15 with the heading Profit, select Format Cells, choose the Fill tab, select one of the light grey Cell shading Colors, and then click OK Place the cursor in cell F26 with the Total , select Format Cells, choose the Fill tab, select one of the light grey Cell shading Colors, and then click OK 9. Create a table showing the Sales Income (1999) Forecast and the Fixed Costs - from this a break-even graph will be created. CREATE TABLE HEADINGS In cell A7 type the heading SALES INCOME (1999) - FORECAST In cell A9 type the heading No. OF ITEMS SOLD In cell A10 type the heading INCOME FROM SALES ( ) In cell A11 type the heading FIXED COSTS ( ) 11

6 VALUES - No. OF ITEMS SOLD In the No. OF ITEMS SOLD row enter the values in cells B9:H9 respectively NAMING A RANGE OF CELLS - No._OF_ITEMS_SOLD Select the Formulas tab Highlight the range of cells B9:H9 Select Define Name, type No._OF_ITEMS_SOLD as the Name in the workbook, click OK VALUES - FIXED COSTS ( ) In the FIXED COSTS ( ) row enter the values in cells B11:H11 respectively VALUES - INCOME FROM SALES ( ) In cell B10 type the formula =No._OF_ITEMS_SOLD*TOTAL_PROFIT N.B. The income made from sales in this forecast table assumes ONE of each item sold makes up the TOTAL PROFIT made - i.e. as calculated in cell F26. Copy this formula across row 10 for all cells from B10 to H10 by dragging the small plus pointer + across the row, thus calculating the income made from sales (forecast) on the basis of selling 200, 400, 600, etc. sets of goods. 10. Produce an XY (Scatter) chart showing the forecast performance of the company in 1999 against Fixed Costs of 80,000 - hence the break-even point can be determined. CREATING A CHART Highlight block A9:H11 by dragging the large plus pointer across it Click the Insert tab, select the chart type Scatter, select the Scatter with Straight Lines chart Choose Layout 1, type the Chart title BREAK-EVEN CHART (1999), type No. of Items Sold as the (X) Axis title, type Amount ( ) as the (Y) Axis title Select to Place chart As object in the worksheet called BREAK-EVEN Drag the chart below the Stock Items table to a blank area of the worksheet 12

7 Ammount N.B. Resize the chart so that it JUST FILLS the screen area. The readability of the labels and heading will be corrected by changing the font sizes. CHANGING FONT SIZE - MAIN HEADING Select the Home tab on the ribbon Click on the Chart Title BREAK-EVEN CHART (1999) to highlight it Change the Font Size to 14 CHANGING FONT SIZE - Y-AXIS HEADING Click on the Value (Y) Axis label Amount ( ) to highlight it Change the Font Size to 12 CHANGING FONT SIZE - X-AXIS HEADING Click on the Value (X) Axis label No. of Items Sold to highlight it Change the Font Size to 12 CHANGING FONT SIZE - Y-AXIS LABELS Click on the amounts to highlight the vertical axis Change the Font Size to 8 CHANGING FONT SIZE - X-AXIS LABELS Click on the year values to highlight the horizontal axis Change the Font Size to 8 CHANGING FONT SIZE - LEGEND Click on the Legend label INCOME FORM SALES ( )/FIXED COSTS ( ) to highlight it Change the Font Size to Click on the outline of the chart to highlight it, select the Microsoft Office Button, select Print and then Quick Print. 13. Save the changes made to the workbook. 14. Close the Account workbook without saving the named list just created. 13
