1 TRAINING GUIDE

2 The Lucity mbile app gives users the pwer f the Lucity tls while in the field. They can lkup asset infrmatin, review and create wrk rders, create inspectins, and many mre things. This manual cvers sme basic peratins fr creating and filling ut wrk rders while in the field. 3 Finding Infrmatin Frm the Dashbard Lk at yur Dashbard. There will be several types f plugins. Asset Tree and Data Drill plugins prvide the ability t view yur data srted int different grups. Asset Trees srt facility and equipment data based n relatinships. Data Drills srt any kind f data based n cmmn attributes. This example is a data drill that has all pen wrk rders gruped by Supervisr. Then under the supervisr they are gruped by main task. Yu can tap n any level f the data drill t pen that grup f data in a view f thse recrds. Thrugh the Mdules Menu Frm the Dashbard click the buttn n the menu. The fllwing pp-up will appear: On the left side f the pp-up is a list f all the Lucity mdules. Tap the and icns t expand r cllapse a level f the menu. Tap n a mdule name t pen that Mdule View. On the right is a list f the mdules that yu have pened recently. This list is srted by rder f use. The mre recently a mdule was pened, the higher it will be in the list. Tap a mdule name in the Recent Mdules list t pen that mdule. After selecting a mdule a view f all the recrds in that mdule will appear. 2

4 Viewing Infrmatin Recrds in Lucity are displayed in tw different ways. Grups f recrds are displayed in Views while individual recrds are displayed n frms. Views Views display lists f recrds. These lists prvide summary infrmatin abut each recrd fr identificatin. Within Views users can lad a filter, srt, and search fr recrds. They can als add recrds, delete recrds and display infrmatin in the map. Swipe up t scrll thrugh the View Use the buttns t the bttm right t navigate t mre pages f recrds within the view. Tap a recrd in the list t pen up that recrd in a Frm. Filter Recrds 1. Tap the buttn. The fllwing pp-up will appear: 2. This is a list f all the current user's saved filters. 3. If the filter was created by smebdy else tap the Shw All Checkbx. The pp-up will switch t shw all saved filters. 4. Tap n a filter t lad it. 5. Tap n Clear Filter t remve all filters frm the mdule. 3

5 Srt Recrds 1. Tap the buttn. The fllwing pp-up will appear: 2. The ptins in the list are fields that are displayed fr each recrd in the view. 3. Tap a field in the list t base the srt n. 4. Tap the Srt Z-A r Srt A-Z buttns at the bttm t srt the recrds. Clear a Srt 1. T clear a srt tap the buttn again. 2. Tap the Clear Srt buttn that nw appears at the bttm f the pp-up. Search fr a Recrd 1. Tap the buttn fr a field t type in. 2. Enter the Cmmn ID fr the recrd yu are searching fr. Add a Recrd 1. Tap the buttn. 2. A blank frm will pen up. 3. Fill ut the desired fields. 4. Tap the buttn t save the recrd. Shw in Map 1. Lng tap n a recrd in the list. 2. The view will enter Selectin Mde and the recrd will be selected. 3. Tap n any ther desired recrds in the list. 4. Tap the buttn t pen the map. All the selected recrds will be highlighted in the map. 4

6 Frms Frms display detailed infrmatin abut a recrd and prvide yu with a way t edit that infrmatin. Frms als give yu a way t lk at infrmatin related t the recrd. Swipe up t scrll thrugh the frm. Tap n a field in the view t edit that field Accessing Related Recrds At the tp f the frm there are tw sets f navigatin links t help navigate back thrugh a recrd and t find related recrds. Red Links The first set f links is red and helps users navigate back thrugh a mdule. As they pen up child views and frms this set f links will expand t shw where they are within the recrd. These are made up f tw types f links: Views and Frms. View links display the name f a type f recrd like Wrk Order r Tasks. Tapping n these links makes the app jump back t that view. Frm links display the ID fr the recrd that the user selected. Tapping n these links makes the app jump back t the frm fr that recrd. The links are rganized in the fllwing way Example View Name > Recrd ID > View Name > Recrd ID > Current Recrd (in Black) Wrk Orders > > Tasks > ENVINT02 5

7 Blue Links The secnd set f links is blue and helps users navigate t recrd related t the current recrd in the frm. These are ften children recrds. Each link displays the type f recrd that it represents and next t the name is the number f recrds f that type attached t the current recrd. Tap n these links t pen a view f that type f recrds. Example In the image belw tapping n the Emplyees (1) link wuld pen a view f all the emplyee recrds that are attached t the EVNINT02 task. There is nly 1 emplyee currently attached. Fields and Field Ppups Within a frm there are several types f fields. Each f these fields act differently and have different prperties. Clrs Fields that are labeled in Orange are required. Fields that are labeled in Green are read-nly. Text within a field is text that was entered by the system. These fields are read-nly as well. A field that is actively being edited is underlined in Blue. Text r Number Field Mst fields are simple text r number fields. Tapping in these fields will bring up the devices keybard and allw users t type in a value. 6

8 Picklist Fields Picklist Fields can be displayed in different ways depending n system settings. Example Field 1 - This picklist displays the cde and type in ne field. Tapping n this field brings up a pp-up picklist. Example Field 2 - This picklist displays the cde and type in tw separate fields. The Cde field is editable while the type field is read-nly. Tap in the cde field t manually type in the cde. Ding this will aut ppulate the type. Alternatively tap n the buttn t see a ppup picklist. Selecting and Optin - Tap n an item in the picklist t select it and use it in the field. Clearing the Field - Tap Clear t remve all values frm the field. Filtering the List - In the tp left crner f the pp-up is a filter field. Tap in the field and begin typing in either the desired cde number r descriptin. The list will autmatically be filtered based n what is typed. Srting - In the upper right crner are tw radi buttns that cntrl hw the list is srted. Tap n ne f these buttns t change hw the list is srted. Clsing the Pp-up - Tap the buttn t clse the pp-up withut making a selectin. Date/Time fields Tapping in a date r time field will bring up a pp-up that allws the user t select the apprpriate date/time. 7

9 Cmment Fields Cmment Fields appear as bxes. Tap in the bx t bring up the devices keybard and begin typing. Wrk Flw Examples Here are several examples f hw facility maintenance field users culd use t accmplish cmmn tasks. Creating a New Wrk Order 1. Frm the tablet dashbard screen tap n the link fr My New Wrk Orders This will pen a view f all new wrk rders currently assigned t yu. In the tp right f the screen there will be a green piece f paper with a plus sign. Tap this buttn t create a new wrk rder. Ntes: 8

10 A new Wrk Order Frm will pen with empty fields Fill ut all apprpriate fields (nte the Categry field des nt need t be changed as it will default t Buildings n Save) Prblem Supervisr Assigned T Main Task The status field will be updated nce the wrk rder has been cmpleted and can be left as New Wrk Order at this time. The Wrk Order # will ppulate autmatically n Save The Cmments frm Request and Cmments t Crew are read nly fields and will nly be ppulated if the wrk rder is generated frm a Request r scheduled PM. Building ID, Building Name, and Address fields are read nly and will ppulate nce the Asset (Building) is identified. Save the recrd with the disc buttn in the tp right f the screen. 2. Once the Save is cmplete yu will see the blue links fr the children recrds shw up belw the red links at the tp f the screen. 9

11 3. Begin with the WO Task link by taping the link. This will pen a view f all tasks assigned t this wrk rder. This shuld be the main task that yu have selected in the previus screen. Tap the task in the grid and fill ut the Date and Start Time and Save. Begin the wrk and nce cmpleted (finished fr day r duratin f time) cme back t tablet t cmplete final entry. *Wrk can be cmpleted prir t starting new wrk rder. Navigate back t the Wrk Order>WO Tasks link if nt left there during wrk. Fill ut the End Time f the task and Save. Once the Save is cmplete yu will see the blue links fr the children recrds belw the red links at the tp f the screen. Click n the Emplyee Resurces link. This will pen a view f all emplyees assigned t this wrk rder. Tap the emplyee in the list yu wish t add time t. This will pen a frm t enter the regular and vertime hurs *If the emplyee is nt listed click the Add Recrd buttn in the tp right f the screen t see the same frm. 10

12 Als included will be the Date (read nly) and times. If the times are different than the task times entered previusly yu may manually enter the crrect times. Return t the Task Frm by click the Task Name alng the red links at the tp f the screen. Repeat the same prcess fr Equip/Vehicle Resurces, Materials (if needed) and Cntractrs (if needed) by clicking the blue links frm the Task Frm. Return t the main Wrk Order Frm by clicking the Wrk Order # n the red links at the tp f the screen. 4. Frm the main Wrk Order Frm yu can nw tap the Wrk Order Asset link. This will pen a blank view if n asset is currently attached and read N Recrds. 11

13 Tap the Add Recrd buttn in the tp left f the screen. This will pen up the Asset Frm. Here tap the magnifying glass icn t bring up a list f all Buildings. Scrll thrugh r filter the list and tap n the Building where the wrk is ccurring. Nte there are tw pages f Buildings s yu may need t navigate t page 2 t see all recrds. Once the Building is selected tap the Save buttn and yu will see the Building Name and Address ppulate. Return t the main Wrk Order Frm by clicking the Wrk Order # n the red links at the tp f the screen. 5. Frm the main Wrk Order Frm yu can nw tap the Wrk Order Cmments link. Ntes: 12

14 This will pen a blank view if n cmments currently exist and read N Recrds. Tap the Add Recrd buttn in the tp left f the screen. This will pen up the Cmments Frm. Tap in the Cmments bx t add yur cmments. The keybard will autmatically cme up nce yu tap in the bx. Once the cmment is cmpleted tap the Save buttn. Return t the main Wrk Order Frm by clicking the Wrk Order # n the red links at the tp f the screen. 6. Finally update the Status field t indicate where the wrk rder is, Clsed in Field (if cmplete), On-Ging (if wrk still needs t be dne), r Cancelled in Field (if wrk rder was invalid). 7. Save the recrd and the data entry is cmplete. 13

15 Navigate t and Update an Onging Wrk Order 1. Frm the tablet dashbard screen tap n the link fr My Onging Wrk Orders This will pen a view f all nging wrk rders currently assigned t yu. Find the wrk rder in the list yu are wrking n and tap it t pen up the main Wrk Order Frm. N updates need t be made t this screen. 2. At the tp yu will see the blue links fr the children recrds belw the red links. 3. Begin with the WO Task link by taping the blue link. This will pen a view f all tasks assigned t this wrk rder. This shuld shw a list f task frm previus days (likely the same task repeated). 14

16 Add a new task by clicking the Add Recrds buttn in the tp right f the screen. Fill ut the Date and Start Time and Save. Begin the wrk and nce cmpleted (finished fr day r duratin f time) cme back t tablet t cmplete final entry. *Wrk can be cmpleted prir t filling ut wrk rder. Navigate back t the Wrk Order>WO Tasks link if nt left there during wrk. Fill ut the End Time f the task and Save. Once the cmment is cmpleted tap the Save buttn. Return t the main Wrk Order Frm by clicking the Wrk Order # n the red links at the tp f the screen. 5. Finally update the Status field t indicate where the wrk rder is, Clsed in Field (if cmplete), On-Ging (if wrk still needs t be dne), r Cancelled in Field (if wrk rder was invalid). 6.
