7 Overview of "COMOS " What options does "COMOS " offer? General information The "COMOS " app supports managers, engineers and staff who frequently work outside the office in process plants. Snapshots of a document can be captured with the COMOS app. The COMOS app offers another possibility for making COMOS documents available to other people, for example, integrators. No COMOS access is required for this purpose. Functional The "COMOS " app makes it possible for you to export specific COMOS documents and to save them in a database on your ipad. You can then review the documents offline and mark necessary changes in a simple manner. You can search for keywords in a document and navigate to the individual pages. You can integrate photos you create on your ipad into your document. You can load individual revision steps onto your ipad. Revise your document. You can see an overview of all revision steps of the document in the revision history. 8 Overview of "COMOS " 2.3 First steps with "COMOS " Configuration of the Web server and the COMOS app: You can find additional information on this topic in the "Mobile Solutions" manual, keyword "Installation and configuration". Your administrator has set you up as app user. You do not require any specialized knowledge of COMOS. You need to be familiar with the basics of operating an ipad. Note The "COMOS " app is only suitable for one user. However, you can use multiple databases on the ipad and therefore have multiple COMOS logins. 2.3 First steps with "COMOS " 1. 11 Opening "COMOS " 3 Requirement You have downloaded the "COMOS " app. You are connected to the Internet. You are connected to the Intranet, if COMOS Web server can be accessed via the Intranet only. Procedure 1. Tap the "COMOS " app. 2. When you open the app for the first time, accept the license conditions. 3. Select one of the following options: If you were offline before or if you are opening the app for the first time, the "COMOS Login" window opens. 13 Synchronization Synchronizing "COMOS " Requirement You have opened the "COMOS " app. See chapter Opening "COMOS " (Page 11). The "COMOS Login" window is open. Procedure 1. Enter the login data in the "User" and "Password" fields of the "COMOS Login" window. 2. Tap the "URL for COMOS web service" button. The "URL" window opens. 3. When you open the "COMOS " app for the first time, you create a new URL. See also chapter Change URL and database (Page 31). The synchronization with COMOS starts. The successful completion of the synchronization is indicated by "Updated <time>" in the footer of the Navigator. New documents are identified by a blue dot. See also chapter Symbols in the Navigator (Page 40). 4.2 Starting synchronization manually From the Navigator In order to start synchronization manually from the Navigator, swipe downwards with your finger in the Navigator. The synchronization with COMOS starts. From the working area In order to start synchronization manually for the open document, swipe downwards with your finger in the working area. 14 Synchronization 4.4 Synchronization failed Synchronization starts for the open document and the system checks for new revisions. If there is a new revision, this is shown in the Navigator. The open revision is retained. Requirement The "COMOS Document Review" main menu is open. Procedure 1. Tap the following button in the footer of the Navigator: 2. Activate the "Synchronize favorites" button. There is an automatic search for new revisions during the synchronization. If there are new revisions in COMOS, these are loaded autonomously by the system. 4.4 Synchronization failed Check the Internet connection. The revision opens in the working area. 5.2 Sending documents and revisions "Send to COMOS" Overview You can send individual revisions or all revisions from a document. Requirement You are connected to COMOS. See also chapter Synchronizing "COMOS Mobile Document Review" (Page 13). You have edited the document or revision. Procedure 1. Metadata of a revision The header data in the working area of a revision shows the associated metadata: Document name Project name and working layer Revision consisting of the following string: "<Revision name> <Revision label> <Revision description>" Showing metadata of a document The metadata of a document is stored in the Navigator. To show the metadata, follow these steps: 1. Select a document in the Navigator. 2. Select a revision in the Navigator. The metadata of the associated document is displayed in a window on the "Actions" level: "Mark as unread" button. See also chapter Mark as unread or read (Page 20). Date Name of the sender Name of the recipient Action message of the sender 5.4 Searching Searching for documents and revisions in the Navigator Overview You can perform a Navigator search in all area levels. When you tap the "All" button, all documents or revisions are shown in the Navigator. 5. To end the search, click "Cancel" Searching in documents and revisions Overview The search in a document is valid only for the following languages: German English French Requirement A document or a revision is open in the working area. Procedure 1. Tap the following button in the working menu: 2. Enter a keyword in the search field. 3. Tap the virtual keyboard command <Search>. Tap the following button in the footer of the Navigator: The "Sort by" window opens. 2. Select an option: "Date" "Sender" "Name" "Priority" "Read" The documents and revisions are sorted according to the selected option in the Navigator. 5.6 Mark as unread or read Overview You can mark documents and revisions as read or unread in the following areas: "All documents" "Favorites" Procedure 1. Tap the "Edit" button in the header of the Navigator. 2. Select a document or a revision in the Navigator. Multiple selection is possible. 3. Requirement The "COMOS Document Review" main menu is open. Selecting documents and revisions as favorites 1. Tap the "All documents" button in the Navigator. 2. Tap the "Edit" button in the header of the Navigator. 3. Select a document or a revision in the Navigator. Multiple selection is possible. 4. Tap the "Mark (<number>)" button in the footer of the Navigator. 5. Tap the "Mark as favorite" button. Alternative: You can edit the opened revision directly in the working area via the work menu. See also chapter Symbols in the Navigator (Page 40). Note All favorites are also available in the "All documents" area. If you only mark a revision of the document as favorite, the entire document is still saved in the "Favorites" area. Removing documents and revisions from favorites 1. Tap the "Favorites" button in the Navigator. 2. Tap the "Edit" button in the header of the Navigator. 3. Select one or more favorites in the Navigator. 4. Tap the "Mark (<number>)" button in the footer of the Navigator. 5. Tap the "Remove from favorites" button. Alternative: You can edit the opened revision directly in the working area via the work menu. Tap the following button: The marking as favorite is canceled. See also chapter Symbols in the Navigator (Page 40). Note Only when all revisions have been removed as favorites, is the entire document removed from the "Favorites" area. Multiple selection is possible. 3. Tap the "Delete (<number>)" button in the footer of the Navigator. 4. Tap the "Delete selected documents" button. Alternatives: Move your finger across a document or a revision in the Navigator. The "Delete" button appears. To delete the opened revision in the working area, click the following button in the work menu: The document or revision is moved to the "Trash" area. Empty the trash to delete the document or the revision for good. See also chapter Deleting documents and revisions for good (Page 24). See also Work menu (Page 38) 5.9 Restoring documents and revisions You can restore documents and revisions that have been moved to the recycle bin. Requirement The "COMOS Document Review" main menu is open. Procedure 1. Tap the "Trash" button in the Navigator. 2. Tap the "Edit" button in the header of the Navigator. 3. Select a document or a revision in the Navigator. Multiple selection is possible. 4. Tap the "Restore (<number>)" button in the footer of the Navigator. 5. Select a document or a revision in the Navigator. Multiple selection is possible. 3. Tap the "Delete (<number>)" button in the footer of the Navigator. Alternative: Move your finger across a document or a revision in the Navigator. The "Delete" button appears. The document or revision is deleted permanently. Deleting all documents or revisions permanently 1. Tap the "Edit" button in the header of the Navigator. 2. Tap the "Empty trash" button in the footer of the Navigator. 25 Change to offline mode 6 Overview You can also view and edit revisions in offline mode if an Internet connection is not available. Requirement The "COMOS Document Review" main menu is open. 27 Editing revisions 7 After opening a revision you can now edit it. A number of tools are available for revision. The revision is complete once you have closed it again. Requirement A revision is open in the work area. Procedure Tap the "Redlining" button in the work menu. The revision is opened for editing. 29 Editing revisions 7.2 Selecting elements 7.1 Insert photo Requirement The "Redlining" window is open. See also chapter Editing revisions (Page 27). Procedure 1. Tap the "Photo" button. 2. Select one of the following options: To take a photo, tap the "Take photo" button. The ipad camera opens. This button is available as of ipad 2. To select an available photo, tap the "Select an available photo" button. The "Photos" window opens. Select a photo from the folder. You only select one photo at a time. The photo is placed on the revision. 7.2 Selecting elements Requirement The "Redlining" window is open. See also chapter Editing revisions (Page 27). Elements are placed on the revision. Procedure 1. Tap the button: 2. Select an element. Multiple selection is possible. 3. To select all elements, keep the button pressed. The required element is selected. 31 Change URL and database 8 Requirement The offline mode is active. See also chapter Change to offline mode (Page 25). The "COMOS Document Review" main menu is open. Procedure 1. Tap the following button in the footer of the Navigator: 2. Tap the "URL for COMOS web service" button. The "URL" window opens. 3. Tap the button: 4. Enter the name of the URL in the "Name" field. 5. Enter the address of the COMOS Web application installed on the IIS without a subfolder in the "URL" field: " name>/<name of the COMOS Web application>" Example: " 6. Tap the "Test connection" button to test the connection. 7. Tap "Save" once the test of the connection is complete. 8. Select the newly created URL. 9. Select a database. 10.Tap the "Login" button. 11.Tap the "Finished" button. The synchronization with COMOS starts. The successful completion of the synchronization is indicated by "Updated <time>" in the footer of the Navigator. Deleting URL from list Note You cannot edit the created URL. 33 Revising documents Applying a revision step Requirement A revision is open in the work area. Not all revision steps have been accepted yet. Procedure 1. Tap the "Revisioning" button in the work menu. 2. Tap the "Accept revision step" button. 3. To confirm the revision step, tap the "Accept" button. 4. Tap the "Confirm" button. 5. Tap the "Finished" button. If you are in offline mode: An information window opens. The button "Outbox" is displayed in the Navigator in the main menu "COMOS Document Review". The revision is sent as soon as the synchronization with COMOS starts. See also chapter Synchronization (Page 13). If you work in online mode: An information window opens. The revision is sent. Tap the following button in the footer of the Navigator: 2. Tap the "Use security PIN" button. 3. Enter the four-digit security PIN. The "Security PIN" window opens. 4. Select one of the following options: Tap the "Deactivate PIN" button to deactivate the PIN. Tap the "Change PIN" button to change the PIN. 41 Optimizing storage space 12 Overview To optimize the storage space of the "COMOS " app, delete the PDF cache. Requirement The "COMOS Document Review" main menu is open. Procedure 1. Tap the "Settings" button in the footer of the Navigator. 2. Tap the "Delete PDF cache" button. 3. Tap the "Delete cache" button.
