BizNet is the intranet we use for Pitt Business faculty and staff. With it, departments, working groups and teams can store files, share calendars and contact lists, and make use of tools like wikis, discussion boards, and blogs. BizNet allows you to manage documents from start to finish using document libraries. A library is a location on a server (remote computer) where you can create, collect, update, and manage files with other people. Each library displays a list of files and key information about the files (metadata), which helps members use the files to work together. It is important to note that you should always use Microsoft Internet Explorer when using BizNet. We are upgrading the software behind BizNet. The changes are mostly cosmetic Let's take a look at a document library in both versions.

2 Old version of BizNet Documents menu (New, Upload, Actions, Settings) sits directly above the files One can change the View on the menu on the right Site actions menu is in the top right New version of BizNet Documents menu is under Documents at the top of the screen Change the view for the library under the Library menu at the top Site actions menu is now in the top left 2

3 Navigating the new menu BizNet libraries have two new navigation features: the navigate up button and the Browse button. The navigate up button looks like a little folder with a green arrow pointing up. This menu will show you where you are in BizNet, and will allow you to jump backwards to other locations The Browse button takes you back to the default BizNet menu The new "Documents" menu features New and upload document buttons on the far left New folder button Edit document button Buttons for all other commonly used commands The new "Library" menu features Switch from standard to datasheet view with the buttons on the left Create a new view, or modify the current view with the buttons in the middle Control other document library settings on the right 3

4 Adding files to a document library Uploading a single file 1. Browse to the appropriate document library 2. On the top of the page, under Library Tools, click Documents 3. Click the Upload Document menu, then select Upload Document 4. Click the Browse button 5. Find the file you want to upload and select it 6. Click Open 7. Click OK Uploading multiple files 1. Browse to the appropriate document library 2. On the top of the page, under Library Tools, click Documents 3. Click the Upload Document menu, then select Upload Multiple Documents 4. Choose the folder where you want the uploaded files to be saved by clicking Choose Folder Leave this blank if you're already in the correct folder 5. Drag and drop files into the light blue area, or click Browse for files instead and choose the files you want from your hard drive 6. Click OK. The files will upload 7. Click Done Editing files in a document library One of the strengths of BizNet is that it is not necessary to save a file, make changes, and then re upload. If you are using a Windows computer, Internet Explorer, and Microsoft Office, you can edit documents directly on the server. 1. Open Internet Explorer 2. Browse to the appropriate document library 3. Right click on the Office file you'd like to edit 4. Click Edit in Microsoft Word. If the file is an Excel file, instead choose Edit in Microsoft Excel, etc 5. Edit the file Once you're done editing the file, press CTRL + S to save. 4

5 Developing and using a naming convention An important part of keeping a document library organized is developing a naming convention. There is no one size fits all naming convention student records will need a different naming convention than meeting minutes. Here are a couple of things to keep in mind when deciding on a naming convention: What pieces of information do the documents share? For instance, if all the documents are student records, you may not need to include that in the naming convention. Common elements to your documents can be communicated in the name of the document library itself. What pieces of information are different in the documents? Things that are different in the documents are good candidates for the naming convention. For instance, you might create a document library named Student Records, and name the files according to the student names, such as Smith John.doc. Consider the time frame of the document. If the document is for a given time period, or a record of a specific event, you may want to include a year or standard date. Again, using the example above, you may want to include the term in the naming convention for student records, such as Smith John Fall2009.doc Checking documents in and out of a document library Some document libraries require you to check out a file before you can make changes. When you check out a file from a library, you ensure that others cannot make changes to the file while you edit it. While the file is checked out, you can edit the file, close it, reopen it, and even work with the file on your hard disk. Other users cannot change the file or see your changes until you check in the file. Check out a file 1. Click on the down arrow next to the file name in a document library 2. Choose Check Out 3. You will receive a confirmation with the name of the file you will be checking out. You do not have to check Use my local drafts folder unless you are planning on working without access to the internet 4. Click OK The file is now checked out to you. You will see a green square with a white arrow appear on the file's icon. This arrow indicates to BizNet users that someone is already editing the file. Note that no one else can edit the file until you check it back in. Check in a file 1. Edit the file (see page 2, above) 2. Click Save 3. Close the file 4. You will receive a message asking if you would like to check in the file now 5. Click Yes 6. Check the list of files in the document library to make sure the file is no longer checked out the green and white arrow will no longer show up on the file's icon 5

6 Alternately, you can check in the file from the document library page: 1. Edit and save the file 2. View the document library in BizNet using Internet Explorer 3. Point to the file name with your mouse 4. Click on the down arrow next to the file's name 5. Select Check In 6. Add Comments, if necessary 7. Click OK 6
