2 Mendeley: A Reference Management Tool 1. Introduction Reference management or personal bibliographic management is basically for the authors and scholars who want to use these for writing papers or reports or thesis etc. Reference management is a tiresome and time-consuming job for the researchers, who intend to do it manually. 2. Citation vs Reference Reference and citation are two terms quite often used interchangeable in literature. A reference is an acknowledgement that one document gives to another whereas citation is the acknowledgement that one document receives from another document. Citations of relevant works are an integral part of all scholarly papers. In text citation is how you quote the source of the ideas within the body of the research paper. Citation is included at the places wherever you quote from different authors. Normally, citations are given at the end of the sentence within brackets. 3. Reference Manager A reference manager is a software package that allows authors to collect, organizes, and uses bibliographic references. Reference Manager mainly does the following tasks: Import citations from bibliographic databases and websites; Gather metadata from PDF files; Allow organization of citations within the reference manager database; Allow annotation of citations; Allow sharing of the reference manager database ; Allow data interchange with other reference manager products through standard metadata formats; Produce formatted citations in a variety of styles; Work with word processing software to facilitate in-text citation;

3 Some reference Managers helps to share, collaborate, synchronization of reference database via Internet. All reference managers allow users to enter bibliographic data into the reference management database. All reference managers can import or export references into BibTex or RIS (Research Information Systems) format. 4. What are the Reference Management Software presently available? There are many reference management tools available but following are some of the widely used reference management tools: 5. File Formats Mendeley :Open source reference manager tool Zotero :Open source reference manager tool RefWork :Commercial web-based reference manager by ProQuest EndNote :Commercial reference manager Papers :Commercial reference management software JabRef :Open source reference manager popular with LaTeX users CiteULike :free online reference manager and social bookmarking tool BibTeX and RIS are the two most established file formats for storing bibliographic data, and all reference managers support these file formats. BibTeX and RIS are plain text format. 6. Citation styles Researchers need to follow the desired citation style before submitting an article to the particular journal. Citation style is the particular way of organizing the bibliographic information (authors, title, journal, vol, issue, year and pages). The common citation styles are: American Psychological Association (APA), 6 th Edition Modern Language Edition (MLA), 7 th Edition Chicago Manual of Style, 16 th Edition IEEE Nature Others

4 7. Overview of Mendeley Mendeley (ver ) is a free reference Manager and PDF organizer. Mendeley is a combination of both desktop applications and web application, which helps to organize and share resources. free reference manager a combination of a desktop application and a web application to manage, share and discover both content and contacts in research download Mendeley for free quick & simple installation add all your PDFs (Articles, Book Chapters, etc.) organize, cite and collaborate works on Windows, Mac & Linux free and fully compatible with Windows Word , Mac Word , LibreOffice and BibTex 7.1 Installation of Mendeley Step-1: First, create your Mendeley Account by filling the information. The user ID will be your address and choose any password. Then kindly fill some basic information to complete the registration process.

5 Step-2: Login to your Mendeley Account to download Mendeley Desktop OSSLM-2016 Step-3: Install Mendeley desktop by double clicking the installation file Once Mendeley will install, you can start Mendeley Desktop by clicking on it. 7.2 Creating Your Library One can Add PDFs to Mendeley by clicking the Add Document on the left of the toolbar. Alternatively, you can drag and drop PDFs into the content pane. You can add files and folders.

6 7.3 Mendeley: The Library Overview 7.4 Mendeley- File Menu Bar Add Files Add Folders Add Bibliography Manually [search by DOI, etc. Watch Folder ( Browse the desktop folder) Remove Folder: Select folder >Right Click on it> Remove Remove Files Share Files (Send one or more files to one or many people by ). You need to select the document and then click on Share button in the Menu Bar.

7 Mendeley: Title Bar 7.5 Import and Export Export You can select My Library and export all documents in any one file format ( from below) and save it you re your computer: BibTex (*.bib) RIS- Research Information System (*.ris) EndNote XML (*.xml) Import Go to File Import Select file format as mentioned below: BibTex (*.bib) RIS- Research Information System (*.ris) EndNote XML (*.xml) Zotero Library (zotero.sqlite) 7.6 Mendeley- Edit Menu Bar Find Find Next

8 Find Previous Cut Copy Past Save As Highlight Text <select a portion of text and right click and highlight> Simple Highlight Text Highlight Text in Rectangle Add Note Remove Annotation 7.7 Adding Article from Scopus One can add directly his/ her desired article retrieved from Scopus to Mendeley My Library under the desired sub folder with Tag and Notes. 7.8 Mendeley Desktop: Find and Import New Content Discover with Literature Search Literature search-select record-save Reference <in right Pane> Import content with the Web Importer Web Importer bookmarklet. Tools Install Web Importer Auto-add documents with a Watch Folder 7.9 Mendeley Desktop: Web Importer a) Using Chrome? - Step-1: Install the Mendeley Web Importer browser extension. - Step-2: Click on Add to Chrome - Step-3:Web Importer will be installed. - Step-4: After installing you need to log in using username and password.

9 b) Using Firefox, Internet Explorer? - Install the Mendeley Web Importer bookmarklet. Make sure your 'Bookmarks' or 'Favourites' bar is visible. You may need to switch this on from the 'View' menu in your browser. Drag this button to your 'Bookmarks' or 'Favourites' bar to add the bookmarklet to your browser. Save to Mendeley c) Using the web importer You just need to be viewing an article or a list of references in the browser. This can mean that you're looking at an actual PDF file, an article entry in an online catalog, or even a list of search results. The Mendeley Web Importer will scan the page for metadata, and provide you with a list of the results it finds. To begin the import process, click on the red Mendeley button next to the address bar in Chrome, or click the 'Save to Mendeley' bookmarkletin your Bookmarks/Favorites if you're using another browser. Depending on the number of results the Importer finds, you'll be provided with a list of different items, or specific details of a single item. You can then review the details, and even make manual corrections within the Importer itself, before choosing to add the references to your personal Mendeley library Mendeley Desktop: Import Documents in Watch Folder Click File> Watch Folder Click/ enable the folder in your local drive that Mendeley to watch After configure this, the moment you add any PDF file to the local folder it automatically add to the Mendeley My Library 7.11 Mendeley Desktop: How Sync Works? Why is Sync useful? all your research waiting for you on your home computer, work computer, iphone or ipad - just the way you left it. How does it work? Your Device Mendeley Server Where's all my data? data is safely stored on Mendeley s servers

10 Mendeley will never publish private or personally identifiable data No one will ever know what you are currently researching or reading, unless you explicitly decide to share 7.12 MendeleyDesktop:Tools Invite Colleague Install Web Importer Install MS Word Plugin Check for Duplicates < clicking on duplicates it say no duplicates recently added> Options <provides account usage and preferences> 7.13 Mendeley Desktop: Back up and Restore Backup Go to Help>create backup>filename>click to save Restore Go to Help>restore> choose the back up file Note: to restore your local back up Mendeley will delete your existing library from your computer and the web before restoring the back you selected. This is to make sure that there is no conflict with your library in the cloud Reset Mendeley Desktop Go to Help> click Reset Mendeley Desktop > small window will pop up;

11 Note: This will reset all Mendeley desktop settings and delete all your locally stored data. This will not affect the data synchronized to your Mendeley web account. If you are sure you want to delete then type: I want to delete all my data and click Mendeley Desktop : Writing & Citing What is the citation plug-in? Save time writing papers by automatically generating your bibliography in a few clicks without leaving your word processor Install the Citation Plug-in Tools Install MS-Word Plug-in Finding your citation style Mendeley has thousands of styles from all the top journals Click View Citation Styles More Styles 7.16 Install MS Word Plugin- Mendeley Steps; Click on Tools under Mendeley Desktop and then click on Install MS Word Plugin MS Word Plugin will install within a minute

Conclusion In a single word, Mendeley tool is very much useful to the researcher because it helps to organize PDFs, to save time for writing the thesis or article and main properly the citation style as per the requirement.
