2 Overview Users can now move their Outlook accounts from their old PC to the Mac Mail program using the migration software. This section is designed to introduce and walk through a standard migration. Migrating will involve some simple step by step procedures. Migration Software Outlook to Mac Mail allows a quick and easy transfer of , contacts, and calendar from an old PC to Mail on Mac. Outlook to Mac Mail makes Mac s Mail account contain all the data as the old Outlook account only on a Mac. Before running the migration from the old to new system, you must first run through a series of checks. The old computer needs to meet some minimum criteria prior to the migration software installation. System Requirements In order to run this software the PC must meet the following requirements: Outlook 2000 or newer Windows 2000 or newer Pentium processor or higher 32 MB of Ram Available PC to Mac transfer method 3 1

3 Application Loading The Mac Mail application is already loaded on every Mac operating system. In order to ensure the information is migrated. Please open and close the Mail program multiple times and restart the Mac. This will initialize the Mail program. Outlook to Mac Mail will securely convert all of the following types of files: s Calendar Items Contacts Software Installation The migration process will begin by installing the migration software. Outlook to Mac Mail is a Windows based program and will only be installed on the PC. You will then be instructed on how to import the data into Mac Mail. Below are the step by step instructions for installing the software on to the PC. 3 2

4 PC Install from Download Link Step 1 Double click the download link in your to download Outlook to Mac Mail. Step 2 Select the Save File button and save the ConvertMy O2M.exe file to your desktop. Step 3 Outlook to Mac Mail Setup file will now be displayed on the desktop. Double click the ConvertMy O2M file to begin the install of Outlook to Mac Mail. 3 3

5 PC Install from Download Link (cont d) Step 4 Outlook to Mac Mail will now start the Setup Wizard. At the Welcome window select the Next button. Step 5 At the License Agreement window select the I Agree button. Step 6 Select the Install location or use the default location chosen by Outlook to Mac Mail. Then click Next. 3 4

6 PC Install from Download Link (cont d) Step 7 Outlook to Mac Mail will then ask if where you would like the shortcuts stored for the software. To use the default location, select the Install button. Step 8 Outlook to Mac Mail will now install to your computer. Step 9 Outlook to Mac Mail will then state the installation is complete. Select the Finish button. 3 5

7 Migration Process on the PC Step 1 Outlook to Mac Mail has now created an icon on your desktop. Double click the Outlook to Mac Mail icon to begin the migration. Step 2 Outlook to Mac Mail will now welcome you to Convert My . Select the Start button. For advanced options (export only , Contacts or Calendar Items) select Advanced and go to Advanced Options Migration on the PC, page 3 8. Step 3 Outlook to Mac Mail will now ask for the activation code. Enter the activation key included in the and click Next. Step 4 If the activation code is correct Outlook to Mac Mail will pop up saying the activation is successful. 3 6

8 Migration Process on the PC (cont d) Step 5 Outlook to Mac Mail is now ready to export your Outlook account. Select Next to begin. Step 6 Outlook to Mac Mail will now export the Outlook data to an Outlook folder on the desktop. Step 7 When Outlook to Mac Mail completes it will tell you that it was successful. All of the Outlook data has now been successfully exported to the Outlook folder on the desktop. Click Finish to close Outlook to Mac Mail. For Migration Process on the New Mac, please go to page

9 Advanced Options Migration on the PC Step 1 For advanced options (export only , Contacts or Calendar Items) select the Advanced button. Step 2 Outlook to Mac Mail will ask which items you would like to export. Select the items and click Next. Step 3 If Export was selected, Outlook to Mac Mail will ask which folders to export. Select the desired folders and click Next. 3 8

10 Advanced Options Migration on the PC (cont d) Step 4 Outlook to Mac Mail is now ready to transfer your selected Outlook data. Click Next. Step 5 Outlook to Mac Mail will now export the Outlook data to an Outlook folder on the desktop. Step 6 When Outlook to Mac Mail completes it will tell you that it was successful. All of the Outlook data has now been successfully exported to the Outlook folder on the desktop. Click Finish to close Outlook to Mac Mail. For Migration Process on the New Mac, please go to page

11 Migration Process on the New Mac Step 1 Transfer the Outlook folder to the Mac s desktop. This will create an Outlook folder on the Mac desktop. Step 2 Start the Mac Mail program. Step 3 To start the import, select Import from the File drop down menu. Step 4 At the Import data from: menu, select mbox files and select Continue. 3 10

12 Migration Process on the New Mac (cont d) Step 5 Mail will now ask you to locate the mbox files. Select the Outlook folder from the Desktop and click the Choose button. Step 6 Mac Mail will now import the data from the Outlook folder. Step 7 When the import is complete, select Done. 3 11

13 Migration Process on the New Mac (cont d) Step 8 The Outlook account will be imported under the ON MY MAC section. Expand the section to view your Inbox and other folders. You will now be able to move your folders to the Inbox or their desired location. Step 9 To import the Calendar items into ical, start the ical program. And go to File > Import... Step 10 At the Import menu, select Import an ical file. And select the Import button. 3 12

14 Migration Process on the New Mac (cont d) Step 11 ical will now ask for the location of the Calendar.ics file. Navigate to the > Desktop > Outlook > Calendar > Calendar.ics file. Then select the Import button. Step 12 ical will now ask which calendar you would like to add the new events to. Select a calendar or select New Calendar. Then select OK. Step 13 ical has now added the Outlook Calendar items. Step 14 To import the Contacts into the Mac Address Book, start the Address Book program. Then go to File > Import > vcards 3 13

15 Migration Process on the New Mac (cont d) Step 15 Address Book will now ask for the location of the Contacts.vcf file. Navigate to the > Desktop > Outlook > Contacts > Contacts.vcf file. Then select the Open button. Step 16 Address Book will now ask if you are sure you want to add the Outlook contacts to the Address Book. Select the Add button. Step 17 Address Book has now added your Outlook contacts. Outlook to Mac Mail has now successfully moved your Outlook s, contacts and calendar items to the New Mac. 3 14

16 Frequently Asked Questions Outlook to Mac Mail will not move all of my s. This error usually occurs if you are attempting to move Outlook Express to the Mac Mail software. This software will only transfer Outlook accounts into Mac Mail. 3 15
