9 Introduction Welcome to the SelfCheck System Model 6210! The 3M SelfCheck System Model 6210 Administrator's Guide contains procedures and troubleshooting information that applies to administrator level functions of the SelfCheck system. Many commonly used procedures, safety information, machine specifications, and other information are contained in the 3M SelfCheck System Model 6210 User Guide. Additional information pertaining to the SelfCheck system is available at Languages The SelfCheck system is capable of displaying up to four different languages on the patron interface and on receipts. 9

11 Setup and Configuration This section contains procedures and information pertaining to the setup and configuration of the SelfCheck System. Power Connection 1 Connect the power cord to the outlet. 2 Set the main power switch on the back of the SelfCheck system to ON. Make sure the computer and video monitor power switches are ON. Video Monitor Controls Unlock the Video Monitor Controls 1 Press and hold the menu button (A) for ten seconds to unlock the main menu controls. 2 Press the menu button (A) again to display the main menu. 3 Make adjustments as required using the selection bottom (B) and the toggle wheel control (C). 4 Exit the main menu by pressing the button menu button (A). 12 SelfCheck Manager Configuration Overview Your 3M Technician configures the SelfCheck Manager software during installation to operate in your library s existing environment. The technician configures the following items in the SelfCheck Manager software: Defines the Location of the Scanner Arm and the Orientation of the Bar Codes Enables the VCU, Magnetic Card Reader, or Smart Card Reader Selects the Patron Identifier Chooses the Bar Code Location Selects Language (if other than English) Selects Character Set (if other than English) Customizes a Receipt Sets up Host Communications Saves the Current Configuration You should not have to change any of these settings. However, if it should become necessary in the future, you can refer to these procedures. Unless it becomes necessary to change the SelfCheck System configuration due to changes in your library, the configuration should not be changed. 12

13 Mode Procedures Use the following procedures to set the SelfCheck system in different modes of operation. It is possible you may need to select a temporary mode, such as Off Line processing or Forward Transactions if there is a temporary problem with the Automated Circulation System. SelfCheck System Mode Select SelfCheck from the Modes menu. This sets the SelfCheck system for normal patron operation. Out of Service Mode Select Out of Service from the Modes menu. This sets the SelfCheck system in the out of service mode and shows the out of service graphic on the screen. When the Out of Service graphic is displayed, pressing the escape key (Esc) on the keyboard will to return the system to the SelfCheck Manager. Off-line Processing Mode Off-line Processing mode and Forward Transactions mode are optional features that must be purchased separately, and may not be included with your SelfCheck system. Select Off-line Processing from the Modes menu. This sets the SelfCheck system in off-line processing mode, which allows the system to store transactions while the automated circulation system (ACS) system is down and forward them at a later time. Forward Transactions Mode Select Forward Transactions from the Mode menu. This displays the Forward Process window and starts the process of forwarding the transactions. Errors in the transfer are displayed in the Forward Process window. No other SelfCheck system functions can be activated while transactions are being forwarded. Error Log Files Error log files are generated when transactions fail to be forwarded to the library's automated circulation system (ACS) system during the forward process. An error message appears in the Forward Process window if transactions fail to be forwarded. The error log files located in Programs/3M Library Systems/3M SelfCheck 6210/StF indicate which transactions failed. Failed transactions must be manually entered into the ACS system. (continued) 13

14 Demonstration Mode Select Demonstration from the Modes menu. Putting the SelfCheck system in the demonstration mode allows check out of items for training or demonstration purposes. While in the demonstration mode the SelfCheck system does not communicate with a host. Terminal Emulator Mode Terminal emulator mode is not used in normal SelfCheck system operation. Select Terminal Emulator from the Modes menu. Click the right mouse button within the Terminal Emulator window to show the terminal emulator menu. From this menu you can Open a Connection and run LOGIN and LOGOUT scripts entered in the Send/Expect Editor. 14

15 Host Communications Procedures Windows Network Control Panel Settings If the SelfCheck system does not use a serial connection to the host, you must configure your system to use TCP/IP. Refer to your library's network administrator for information about the network connection used by the SelfCehck system. In Windows 95, TCP/IP is configured from the Control Panel's Network Configuration application. To enable the TCP/IP settings: 1 Double-click on My Computer on your Windows desktop. 2 Double-click on the Control Panels folder in the My Computer folder. 3 Double-click on the Network icon to show the Network control panel. TCP/IP should be among the network components installed. 4 Select TCP/IP in the drop down box and click the Properties button. 5 The TCP/IP Properties panel displays. 6 If the network uses a Microsoft DHCP Server for WINS resolution, select that radio button on the WINS Configuration tab. When this radio button is selected, an IP address for the SelfCheck system is assigned automatically and name resolution is supplied by the server. If the network does not use a Microsoft DHCP Server for WINS resolution, you may need to supply name server addresses or names on the WINS Configuration tab and the DNS Configuration tab. If the network requires that the SelfCheck system have a static IP address, you need to type that IP address and a subnet mask on the IP Address tab. Add a gateway or router address on the Gateway tab. You also need names and addresses for the DNS Configuration tab. The library network administrator should have the TCP/IP information you need to configure the TCP/IP Properties. Control Panel window 15

16 Set Up Host Communications From the SelfCheck Manager Configure menu, select Hardware. Click on the Host tab in the Hardware Properties panel and choose the method for connecting to the host. If you choose Terminal based - Telnet or Sockets, you need to configure the Windows 95 Network Control Panel and add the TCP/IP Port, Host Name, and Host IP address to the fields on the Host tab panel. Refer to "Windows Network Control Panel Settings" in this guide. If you choose Terminal based - Telnet or Serial RS-232, you need to Configure Send/Expects. Hardware Properties window - Host tab Configure Send/Expects A log-on script is required to ensure security (and limit access) to the library s computer. The library network administrator should know how to log on to the host. The script is entered with the SelfCheck system Send/Expect Editor and stored in the configuration file. Where is the Send/Expect Editor? In the SelfCheck Manager select Hardware from the Configure menu. This brings up the Hardware Properties tabbed panels. From the Host panel click on the Configure Send / Expects button. The Send/Expect Editor window will appear. Send/Expect Editor Window Editing a log-in or a log-out script Double clicking on a cell in the grid will allow editing of that cell. Clicking with the right mouse button on the grid shows an editing menu that allows cutting, copying, pasting, and deleting of cells, rows, and columns. Selecting the Auto Insert <CR> box adds carriage returns (\r) to each entry in the send column. 16

17 Developing a Script All characters in the send/expects entries are case sensitive and punctuation sensitive and must have the correct number of spaces. The characters in the EXPECT column must EXACTLY match the last unique characters transmitted by the host to the SelfCheck system. These character strings are what the SelfCheck system must receive and MATCH (in order) to enable it to send its responses. For example, if the characters sent by the host computer are Host System Login:, this must be entered in the EXPECT column. The characters in the SEND column must EXACTLY match what the host requires. The first cell in the SEND column usually contains a carriage return. This is sent to let the host computer know the SelfCheck system is trying to connect to it. If you have checked the Auto Insert <CR> box then that cell will appear blank and simply send a carriage return. If you have not checked the Auto Insert <CR> box, then you must manually enter a carriage return or new line for the first send line that tells the host you are trying to log on. Also, each send line will need either a carriage return or a new line at the end of it to tell the host that the line is complete. The following characters represent carriage returns and new lines in script: \r for carriage return \n for new line (typically used when communicating with a Unix system) RETRIES are only used for the first exchange to establish the initial connection to the host computer. TIMEOUTS (in seconds) should be added for each line. Timeouts define how long the SelfCheck system computer waits for a reply from the host computer. 18 You can use the Terminal Emulator window in the SelfCheck Manager to develop a Log on script. Use it to manually log on to the host and observe each exchange between the host and the SelfCheck system. Write down what you send to the host (SEND) and then write down the last few characters that are sent from the host. This will indicate when the entire message has been sent from the host. This is a good way to see the exact text to enter in the EXPECT cells. 18

19 Keypad Procedures There are a series of keypad commands available to the library staff, which give them the ability to perform diagnostic activities from the keypad. To enter a keypad code, you must first enter **3 on the keypad followed by the desired diagnostic keypad code. The diagnostic keypad codes are shown on the following pages. Clear the Keypad Buffer Before you enter a keypad command, you must first clear the keypad buffer. Someone may have randomly pressed a key before you began. If the random entry is not removed before you type in your keypad command, the SelfCheck system will not recognize the command. To clear the keypad buffer: 1 Press the * key. 2 Press the # key. If you make a mistake entering a keypad command, you can also press the * key then the # key to clear the buffer and start over. 19

20 Enter a Keypad Command Keypad commands allow you to perform system testing and diagnostic functions on your SelfCheck System. To enter a keypad command, use the numeric keypad. You must enter keypad commands using the following format. (1) Attention Sequence + (2) Command Number + (3) # 1 The attention sequence informs the SelfCheck system that you are entering a keypad command. You must always enter the attention sequence before entering the command number. The default keypad attention sequence is **3. If you want to customize this attention sequence, you only can change the character following the **. This is not usually necessary. 2 The keypad command numbers shown in this procedure are also shown in the SelfCheck Manager software. The keypad command numbers cannot be changed. To view these numbers and their assigned function: a b Select Configure from the main menu and Hardware from the drop-down menu. The Hardware Properties dialog box displays. Click on the Keypad tab. Hardware Properties window - Keypad tab 3 All keypad commands must end with #. Example: If you enter **31# from the keypad, the SelfCheck system is logged off the host computer. Make sure to type the correct keypad command number. Press each key slowly to make sure it is entered properly into the SelfCheck system. Diagnostic Keypad Commands There are a series of keypad commands available to the administrator and library staff, which give them the ability to perform diagnostic activities from the keypad. To enter a keypad code, you must first enter **3 on the keypad followed by the desired diagnostic keypad code. 20

21 Keypad Command Numbers The following numbers represent keypad commands that may be entered (using the proper format) from the keypad. 1 Log off This logs the user off of the host computer. 4 Enable the SelfCheck diagnostic trace (session logging) This enables you to capture events and, possibly, software errors that occur in the SelfCheck. Session logging remains on as long as the SelfCheck is turned on, or until it is turned off. The file size could be as much as 70 KB. The default is that the diagnostic trace (session logging) is turned ON. 5 Disable the SelfCheck diagnostic trace This freezes the diagnostic trace (session) log and prevents any further information logging. The information is saved in memory that is backed up by battery. 9 Send the SelfCheck status OFFLINE message and then send the SelfCheck ONLINE status message to the host. This may be used to attempt to reset the SIP (Standard Interface Protocol). This may not work for all cases and may possibly drop the connection between the SelfCheck system and the host computer. 16 Exit application and shutdown system This is intended for the SelfCheck. It causes the SelfCheck program to log off from the host and then shut down Windows 95. When the shutdown is complete, the SelfCheck can be turned off. 21

22 Magnetic Card Reader Procedures Use this window to set up the magnetic card reader parameters. Do not change the settings for the Magnetic Card Reader unless directed to do so by a 3M Technician. MCR Hardware Select Enable Magnetic Card Reader to allow the Magnetic Card Reader to function. Communications Port Select the Communications Port number from the pull-down menu. The default is COM 3. Detect Interval The Detect Interval setting determines how data is read from magnetic stripe cards. The detect interval varies by card reader type. Hardware Properties - Magnetic Card Reader Tab Card Reader Type Select the model that is installed in your SelfCheck system. Card Type Select the type of card being used in the Select Card Type field. Currently the only selection is Mag Card. Card Track Select the card track in the Select which card track to read (mag card only) field. The card tracks can contain alphanumeric card data or numeric card data. The default is Track 2. 22

23 Smart Card Reader Procedures Use this window to set up the Smart Card reader parameters. Do not change the settings for the Smart Card Reader unless directed to do so by a 3M Technician. Smart Card Hardware Select Enable Smart Card Reader to allow the Smart Card Reader to function. Communications Port Select the Communications Port number from the pull-down menu. The default is COM 3. Detect Interval The detect interval is determined by the card reader type. Hardware Properties - Smart Card Reader Tab Card Reader Type Select the model that is installed in your SelfCheck system. Currently, the only type of reader available is the Towitoko CHIPDRIVE external. Smart Card Type Use this field to select the type of Smart Card that will be used with the SelfCheck system. SCK97 is currently the only type of card available for the Towitoko reader. Physical Type Select Contact or Contact-less for the Physical Type of card. 23

24 Printer Procedures Selecting a Printer The SelfCheck system is normally equipped with only one printer. 1 Click Hardware from the Configure menu. 2 Click the Printer tab from the Hardware Properties window. 3 Select the desired printer under Receipt Printer. 25 Add a Bar Code Type The SelfCheck system can read up to 8 bar code types. The SelfCheck system is shipped with 7 bar code types installed. To add a language follow the procedure below. If the SelfCheck system has 8 bar code types loaded, you must first delete one bar code type to add another type. 1 Select Hardware for the Configure Menu. 2 Click on the Scanner tab. 3 Click on the Advanced Settings button. 4 Click on the New button in the Advanced Scanner Options window. This displays the Scanner Barcode Type window. If the New button is grayed-out, you will need to highlight and delete a bar code type from the Scanner Barcode Types field. For some languages you may choose fixed or variable length bar codes. 6 Click on the OK button in the Scanner Barcode Type window. 7 Click on the OK button in the Advanced Scanner Options window. 26 Video Checkout Unit (VCU) Procedures Use this window to set up the video checkout unit for your SelfCheck system. Do not change the settings for the VCU unless directed to do so by a 3M Technician. VCU Communications Communications Port default setting COM2 Baud Rate default is Data Bits default is 8 bits. Parity default is No Parity. Stop Bits default is One stop bit. Handshake Always Desense Videos on Checkout Checking this box causes the SelfCheck system to always desense videos on checkout. 27 Patron Policy Procedures Select the Patron Identifier From the SelfCheck Manager Configure menu, select Policy. Click on the Patron tab in the Policy Properties panel and choose the method for identifying the patron. The Magnetic Strip choice will not be available if the Magnetic Card Reader is not enabled in the Licensing window. The Bar Code with Magnetic Strip choice tells the SelfCheck system to identify the patron by the bar code on the patron's library card, not the magnetic strip. If the patron card has both a bar code and a magnetic strip, and the patron is identified by the bar code, then select this method of identifying the patron. The process of resensitizing/desensitizing may damage a card with a magnetic strip. To avoid damaging the card the patron is prompted to remove the card from the cradle before resensitizing/desensitizing. You also can select whether a PIN is required. If needed, you can add a patron bar code filter from this panel. Sometimes, the number on the patron card cannot be used, as it is, by the automated circulation system (ACS). In these cases, you use a bar code filter to modify the number before it gets to the ACS. 1 The number is read from the patron card. 2 The patron bar code filter alters the number to meet the requirements of the ACS. 3 The modified number is sent to the ACS. 28 Require a PIN from the Patron If you want the patron to enter a personal identification number (PIN) on the keypad, follow these steps: 1 Click Policy from the Configure menu. 2 Click the Patron tab in the Policy Properties window. 3 In the PIN Policy group, click on the PIN Required check box. 4 Use the Number of Retries field to select the number of times you will allow the patron to enter an incorrect PIN before the system takes security action. PIN Retries 1 Click Policy from the Configure menu. 2 Click the Patron tab on the Policy Properties window. 3 Select the up or down arrows in the Number of Retries window to adjust the number. 4 Click the OK button. Patron Bar Code Filters For information on creating, editing, and deleting patron bar code filters, refer to "Bar Codes" in this manual. Patron ID Length The default patron ID length is 1 to 998. It is not necessary to change this setting. 28

29 Check-in Policy Procedures Set Up Sort Codes for Patron Check-in Sort codes allow the library to define where specific library materials should go when the patron checks them back into the library by themselves. 1 Click Policy from the Configure menu. 2 Click on the Check-in tab. 3 In the Item Slot Locations group, click the check boxes you want to be active for patron check-in. Each check box represents a location where the patron will place checkedin material (either a slot or bin). The number of slots you choose usually depends on the different types of material being checked in (e.g., videos, CDs, books, etc.). Each location configured here becomes selectable from the Sort Conditions drop down boxes. Policy Properties window - Check-in tab 4 In the Sort Conditions group, the Sort Success field should be used to define the location where most of the checked-in material from patrons is placed after it is successfully checked in. The other check boxes can be used to define exceptions. These check boxes override the Sort Success field. Alert Flag. Use this when the item being checked in is identified by the automated circulation system with a special condition (i.e., another patron has requested the material and it needs to be processed quickly, or there is a hold or fine on the material, etc.). Magnetic Media. Use this to direct CDs, video tapes, or other magnetic media into a special location. Screen Messages. If this is selected, the SelfCheck system will look at information in the Standard Interchange Protocol software and display it to the patron at check-in. 5 Click OK. 29

30 Resensitize Magnetic Strips at Patron Check-in Use this option if you want the security strips resensitized by the SelfCheck system at check-in when material is returned by the patron. 1 Click Policy from the Configure menu. The Policy Properties window displays. 2 Click on the Check-in tab. 3 In the Check-in Options group, make sure the Always Resensitize Checked In Items check box is selected. 4 Click OK. 30

31 Circulation Procedures SelfCheck System Use: Check-in, Checkout, or Patron Selectable The SelfCheck system may be used to check materials into, or out of the library. The system may be set to allow the patron to choose check-in or checkout, or the system may be set for check-in or checkout only. The patron selectable option must be purchased separately and may not be allowed on your SelfCheck system. 1 Click Policy from the Configure menu. 2 Click the Circulation tab on the Policy Properties window. 3 Click the button next to the desired mode. 4 Click OK. Policy Properties window - Circulation tab Circulation Options The circulation options allow you to set the SelfCheck system to: allow items to renewed using the SelfCheck system check out magnetic media on the SelfCheck sytem cradle allow chargeable loans using the SelfCheck system Use the following steps to set the circulation options: 1 Click Policy from the Configure menu. 2 Click the Circulation tab on the Policy Properties window. 3 Select the check box next to the desired option or options. 4 Click OK. 31

32 Display Procedures Setting Display Properties Display properties enable the presentation of patron information. Information can include automated circulation system (ACS) messages, fines, fees, item name and bar code, and patron identification and patron record information. 1 Click Policy from the Configure menu. 2 Click on the Display tab. 3 Check the boxes for each field to have that item displayed to the patron. 34 Multiple Book Detector Procedures Enable the Multiple Book Detector 1 Click Policy from the Configure menu. The Policy Properties window displays. 2 In the MBD Options group, click the Enable Multiple Book Detection check box. 3 If you want to allow items that contain more than one magnetic strip to be checked out, click on the Items may have multiple strips check box. 4 To protect all items using multiple book detection, click on the All Items Protected check box. 35 Receipt Procedures Customize a Receipt 1 Click Policy from the Configure menu. 2 Click the Receipt tab in the Policy Properties panel. You can choose a language for receipts from this panel. 3 Click on the Customize Receipts button. 4 The SelfCheck system Script Editor window displays. The SelfCheck system Script Editor window has three columns. The left-hand column is called Item(s) and lists names of scripts you can edit. A script is what the SelfCheck Manager uses to generate a receipt. Receipts can be Check-In Receipts or Check-Out Receipts. Policy Properties window - Receipt tab Editing the Default Check-Out Receipt Clicking on the small + to the left of Check-Out Receipts shows another small + and the word Default. Clicking on that + shows the word English. Clicking on English fills the center Contents of Current Item column with source code (the code that defines what the receipt contains and how the receipt will appear) and the right hand Options column with titled icons. The Contents of Current Item column has three parts. The top part is called the header. The middle part is called the body. The bottom part is called the footer. SelfCheck Script Editor window The header prints at the top of every receipt. The body is printed for every item checked out. The footer prints at the bottom of every receipt. (continued) 35

36 You cannot edit the source directly. To change a line of text, double click on it. This brings up the Message Composition Tool. The Message Composition Tool is a Unicode text editor that allows the editing of text of many languages. The Message Composition Tool only allows editing one line of text at a time. To delete the text of the line click on the Clear button. To delete the last character of the line click on the Undo Last button. If your Windows 95 operating system language version is the same as the language of the message you are editing then you can use your keyboard to type new text. For example, if your operating system is the English version and the message you are creating is in English, then you can use your keyboard to type the message. To type a line of text, click in the message area at the bottom of the Message Composition Tool window. If your Windows 95 operating system language version is not the same as the language of the message you are editing then you can use the character matrix to generate the text. Use the scroll bar on left of the Message Composition Tool window to scroll the character matrix until the character you want appears in the matrix. Double click on the character (or drag it) to the message area at the bottom of the window to add it to a line of text. To move a line of text from the Message Composition Tool window to the source column of the SelfCheck Script Editor window press and hold the Ctrl key on your keyboard. Next, click on the text and hold the left mouse button down to drag the text using the mouse. You should move the Message Composition Tool window to the far right of the screen to show the SelfCheck Script Editor window. You may need to scroll the Contents of Current Item column to show where you want to place the text. Drag the new text over the old text and release the mouse button and then the Ctrl key. 37 Dragging Lines of Text 1 Move the cursor over the text you want to drag. 2 Hold down the Ctrl key. 3 Press and hold down the left mouse button. 4 Move the cursor to where you want the text to go. 5 Release the mouse button 6 Release the Ctrl key. Adding a Line of Text to the Receipt To add a blank line to a script: drag a text icon from the Options column to the end of the line in the source above where you want a blank line to appear. Lines in the source end with <EOL>. Double clicking on that new blank line brings up the Message Composition Tool. See previous instructions for help working with the Message Composition Tool. Set the Number of Receipts Use this procedure to set the number of receipts per patron. 1 Click Policy from the Configure Menu. 2 Click on the Receipt tab. 3 Click Number of Receipts from the drop-down menu. 4 Click OK. 38 Set Receipt Buffering Receipt buffering delays the printing of the receipt until the patron has completed all of their transactions. Use the following procedure to set receipt buffering: 1 Click Policy from the Configure Menu. 2 Click the Receipt tab. 3 Click the Delay printing receipt until all items are processed check box. If this box is not selected, the receipt will begin printing while items are being scanned. 4 Click OK. Set the Receipt Language 1 Click Policy from the Configure menu. 2 Click the Receipt tab. 3 Choose the Default Receipt Language from the drop-down menu. 4 Click OK. Choose the Active Receipt 1 Click Policy from the Configure menu. 2 Click the Receipt tab. 3 Choose the Check-in or Check Out receipt available from the drop down menus. (A receipt becomes available once you create it with the Receipt Editor. Refer to: Customize a Receipt ) 4 Click OK. 38

39 Security Policy Procedures Set Up Suspicious Patron Checking If you want the system to take security action when suspicious activity occurs, follow these steps: 1 Click Policy from the Configure menu. The Policy Properties window displays. 2 Click the Security tab. 3 In the Security Policy group, click on the Enable Suspicious Patron Checking check box. 4 Use the Cheat Threshold field to select the number of times you will allow the patron to conduct suspicious activity before the system takes security action. 5 Click an item from the Cheat Action drop-down box to define what action the system takes when the cheat threshold is passed. Policy Properties window - Security tab Editing Disable Messages Use the following procedure to change the messages that are sent to the library s automated circulation system when a patron card is disabled. 1 Click Policy from the Configure menu. The Policy Properties window appears. 2 Click the Security tab in the Policy Properties window. 3 In the Disable Messages group, click on the field for the message you wish to edit and type in the new message. The disable messages are not seen by the patrons. They are typically stored in a database in automated circulation system (ACS) for future reference. 39

40 Off-line Processing Mode The Off-line Processing mode is an optional feature and may not be included on your SelfCheck system. The Off-line Processing mode allows the SelfCheck system to remain in operation when the library's automated circulation system (ACS) is down. The Off-line Processing mode is activated manually when the ACS system goes down. Off-line Processing Configuration Use the following steps to set up and activate the Off-line Processing mode when the library's ACS system goes down: 1 Set parameters for off-line processing. If the parameters have been previously set, you may not need to do this again. a b c d e Click Policy from the Configure menu. The Policy Properties window displays. Click on the Off Line tab on the Policy Properties window. Enter the number of days materials may be checked out in the Number of Days Until Due field. Enter the number of items that may be checked out per patron in the Number of Check Outs Allowed field. Save the current configuration by selecting Save from the File pulldown menu and clicking OK in the Save window. Policy Properties window - Offline tab 2 Click Off Line Processing from the Mode menu. This starts the Off-line processing mode, which creates a.stf file containing the stored transactions in Program Files/3M Library Systems/3M SelfCheck 6210/StF. Only the item ID and due date appear on the SelfCheck system receipts while the system is in off-line mode. You may want to create a separate receipt to be used during Off-line Processing. 40

41 Adding/Removing Blocked Patrons for Off-line Processing Use the following steps to add or remove blocked patrons from the list of blocked patrons for Off-line Processing: 1 Click Policy from the Configure menu. This displays the Policy Properties window. 2 Click the Off Line tab in the Policy Properties window. 3 Click the Edit Blocked List button to display the Blocked Patrons Configuration window. 4 To add patron ID's to the Blocked Patron ID List, type the patron ID's in the Block Patron ID field and click the Add button. This prevents these patrons from checking out materials from the library through the SelfCheck system during off-line processing. 5 To remove patron ID's from the Blocked Patron ID List, select the patron ID you wish to remove in the Blocked Patron ID List and then select the Remove button. 6 Save the current configuration by clicking Save in the File menu and clicking OK in the Save window. Dumping Store Files to Text When transactions recorded during Off Line mode are forwarded to the ACS in Forward Transactions mode, the file record of the transactions on the SelfCheck system is erased. To keep a copy of the stored transactions, you must dump the store file to a text file using the following procedure: 1 Click Policy from the Configure menu. This displays the Policy Properties window. 2 Click the Off Line tab in the Policy Properties window. 3 Click the Dump Store File button. This displays the Open window with a list of.stf files. 4 Select the.stf file containing the transactions you want to convert to text and click on the Open button to start the dump. The text file is created in the specified directory. The.stf file names are automatically named by the time they were created. The formatting is as follows: Day, month, year, and time in hour, minute, and second Example: stf 41

42 Standard Interchange Protocol (SIP) Set the Automated Circulation System (ACS) Communication Parameters This information should be available from the library administrator. The information in these fields allows the SelfCheck System to communicate efficiently with the automated circulation system (ACS). These should not be changed unless there is a change in your ACS. 1 Click Standard Interchange Protocol in the Configure menu. The Standard Interchange Protocol window displays. 2 Click Enable Error Checking to turn error checking on. Error checking verifies that communications are correctly sent and received on both sides of the communications exchange. 3 Click ACS Time Sync to synchronize the SelfCheck system's clock with automated circulation system's (ACS) clock. 4 Set the Number of Retries by clicking on the up and down arrow buttons in the Number of Retries field. The Standard Interchange Protocol window 5 Set the Response Time of the SelfCheck system to ACS in the Response Time field. Refer to your circulation system, or network administrator for this setting. 6 In the Field Delimiter field, type in the delimiter appropriate for the language or ACS you are using. The default field delimiter for the Standard Interchange Protocol is the pipe character " ", represented in hex notation as \x7c. Some character sets don't include this pipe character. It's also possible that some automated circulation systems reserve this character for other purposes. Therefore, the SelfCheck system has to use a different unique character as a field delimiter. 7 In the Keep Alive field, type the time (in seconds) between messages automatically sent from the SelfCheck system that are intended to maintain the communications connection with the ACS. 43 During periods of inactivity the SelfCheck system automatically sends a message to the ACS reporting that it is still online. "Keep Alive" is the number of seconds between these messages. 8 Select an ACS character set. Select a character set appropriate to your language from this drop down menu. For English use the default: Code Page Latin. 9 Enable and Define a Login Message. If the SelfCheck System is connected to the automatic circulation system (ACS) using a socket connection and the access can only come from one terminal, use the following steps to enable and define a login message: The Standard Interchange Protocol window a b c Click the Activate Login Message check box. The two fields below the check box become active. Type in the User ID and Password. The library administrator should have this information. Click OK. 10 In the Terminal Identifier field, type the appropriate ID for your socket connection. If you are using a login message instead of a login script, you need to identify your terminal ID for the automatic circulation system (ACS). The ACS will use this to determine if the access is coming from the right place. The library administrator should have this information. The Location Code field is an optional field that allows you to identify the location of the SelfCheck System, or to encode other types of information. The text or numbers you place in this field will be sent to the automated circulation system (ACS). The location code is only sent when the login command is used. 11 Click OK. 43

44 Languages Add a Language (if other than English) The SelfCheck System is capable of using up to four languages for the patron interface, patron messages, and receipts. 1 Click Languages from the Configure menu. The Language window displays. 2 Highlight a language in the Languages Available drop-down menu and click the Add button. The language is moved to the Languages for Patron Selection field. Double clicking on the language also moves the language to the opposite field. Language window 3 Click OK. De-select a Language 1 Click Languages from the Configure menu. The Language window displays. 2 Highlight a language in the Languages for Patron Selection drop-down menu and click the Remove button. The language is moved to the Languages Available drop down box. Double clicking on the language also moves it to the opposite field. 3 Click OK. 44

45 Message Procedures Editing Message Screens This procedure details how to change the text on the screens the library patron sees. 1 Click Messages in the Configure menu. 2 Select a Screen and, if necessary, a Language from the drop-down menus. 3 Click on the Edit Messages button. This displays the Edit Messages window. 4 Double-click on the line of text you want to edit in the Edit Messages window. The line of text is then loaded into the Message Composition Tool. 5 Click on the line of text at the bottom of the Message Composition Tool to place your cursor there. Message Screen Editor window 6 Edit the text of the line using the Message Composition Tool. Refer to "Editing Text with the Message Composition Tool" in this section. Edit Messages window 45

46 Editing Text with the Message Composition Tool If your operating system version is English and the message text you are editing is English then you may use your keyboard to type a line of text. If the text of the message is in a language other than English you can double-click a character in the character matrix to add it, or drag a character from the character matrix to the message to add it. Click on the Clear button to delete the line of text. Click on the Undo Last button to delete the final character of the line of text. To move text from the Message Composition Tool to the Edit Messages window, drag the text while holding down the control key on your keyboard. Message Composition Tool window Dragging Lines of Text Use the following steps to drag lines of text 1 Move the cursor over the text you want to drag. 2 Hold down the Ctrl key on your keyboard. 3 Press and hold down the left mouse button. 4 Move the cursor to where you want to place the text. 5 Release the left mouse button 6 Release the Ctrl key. 7 Move the Message Composition Tool window to the right to show the Edit Messages window. 8 Drag the text from the Message Composition Tool to the Edit Messages window 9 Click OK in the Edit Messages window when complete. 10 Click Close in the Message Screen Editor window. 46

47 License Key Procedure The SelfCheck System requires a license key before it can be operated. The license key also enables the options that are purchased separately from the system. Options for the SelfCheck system include: Video Check-in/Checkout Unit (VCU) Magnetic Stripe Card Reader Check-in Multiple Languages (up to four) Smart Card Store and Forward Patron Selectable Check-in/Checkout Enable the SelfCheck system by performing the following procedure: 1 Select License Key from the Configure menu. 2 Enter the serial number from the back of the SelfCheck system in the Serial No. field. 3 Enter the license key from the certificate included with the SelfCheck system in the License Key field. 4 Click on the OK button to enable the SelfCheck system. 48 Hardware Testing This function allows you to test individual devices on the SelfCheck system. 1 Select Diagnostics from the main menu and Hardware Testing from the drop-down menu. 2 The Hardware Testing window displays. Click on the check box in front of the device(s) that you want to test. 3 Prepare the selected devices for testing. Refer to the test procedures following this procedure for the selected devices. 4 Click OK to begin testing the selected devices. Hardware Testing window Bar Code Scanner Test 1 Place the item to be scanned on the book cradle with the bar code aligned in the proper position. 2 Press the Read Bar Code button. 3 Results from the scanner display in the two boxes. You will see the revision of the scanner software, and the number read by the scanner from the item in the book cradle. 4 Click OK to end test. Smart Card Reader Test 1 Insert your card into the card reader (make sure the card is inserted correctly.) 2 Withdraw your card. 3 The information read by the card reader is shown in the Smart Card Information field. 4 Click OK to end test. 48

49 Magnetic Card Reader Test 1 Insert your card into the card reader (make sure the magnetic strip on the card is aligned correctly. 2 Withdraw your card. 3 The track being used to read the card is indicated in the Track Selection group. 4 The information read by the card reader is shown in the Magnetic Card Information field. 5 Click OK to end test. Multiple Book Detector Test 1 Place the book(s) on the SelfCheck System book cradle. 2 The indicators, which correspond to sensors in the cradle, show red (ON) if a strip is detected, and green (OFF) if they do not detect a strip. 3 Click OK to end test. Keypad Test 1 Press a button on the keypad. 2 The same button on the graphic should turn white and text should display at the bottom of the screen that identifies the same button. 3 Click OK to end test. Desensitizing Test 1 Place an item, which contains a security strip, on the book cradle. 2 Click on the Test Desensitizer button to test the desensitizer function. 3 Click on the Test Sensitizer button to test the resensitizing function. You should be able to hear the desensitizing engine make a thumping sound after you click on these buttons. 4 Click OK to end test. 49

50 Printer Test 1 Select the printer test to run either Print One Text Block or Print Multiple Text Blocks. 2 Press the Start Receipt Printer Test button and the printer should begin printing. 3 Press the Stop Printing button to make the printer stop. 4 Click OK to end test. Proximity Sensors Test 1 Place an item on the book cradle or cover individual sensors with your finger. 2 When a sensor is covered it will change from green to red on the test screen. If a sensor is active, it displays as green on the test screen. If it is not active, it displays as gray on the test screen. 3 Make sure each active sensor reflects the proper condition (green or red). 4 Click OK to end test. Video Cassette Unit Test 1 Place the video cassette into the VCU slot. Make sure the tape is oriented correctly. 2 As the video enters the slot, the sensors within the slot should detect the cassette and sensor indicators in the Tape Sensor Status group should change from green to red. 3 Once the tape is seated properly, the VCU reads the bar code and displays the number in the Magtape Bar Code Read field. 4 To test the resensitizer function, click on the Sensitize Tape button. 5 To test the desensitizer function, click on the Desensitize Tape button. 6 Click OK to end test. 50

51 Serial Circulation System Communications Test 1 This test allows you to test the network/serial connection communication parameters. 2 Click on the Run ESCS Communications Test button. 3 Click OK to end test. 51

52 View Session Logs 1 Click View Session Log from the Diagnostics menu. This displays the Display Session Log window. 2 To print the session log, click the Print Log button. 3 To stop viewing the session log, click on the Cancel button. Display Session Log window Session Log Options This allows you to define the specific parameters of session logging. You can determine the detail, size, and number of lines in the session log. 1 Click Options from the Diagnostics menu. This displays the Log Options window. 2 Select the level of logging you would like. No session log is generated if No Logging is selected. Your SelfCheck system should be set to No Logging, unless directed by 3M Software Support to aid in troubleshooting a specific problem. A Level 1 session log shows non-recurring events that occur during the session. A Level 2 session log shows the highest level of detail in the session log and is used primarily by 3M Software Support. Log Options window 3 If you select the Display Log Window check box, you can see the session log being generated in real time. If this check box is not selected, the session is saved to memory and can be viewed by selecting View Session Log from the Diagnostics dropdown menu.type a number in the Maximum # of lines to display in Log Window field. The default is Type a number in the Maximum Log Buffer Size field. This is the space the log buffer can occupy on the hard drive. The default is 5000 kilobytes (5 MB). 5 Click OK. 52

53 Print a Configuration File Printing the configuration file requires a significant amount of paper and is not recommended unless directed to do so by 3M Software Support. You cannot print the configuration file without saving it first. To save the configuration file, click Save in the File menu. 1 Click Print Configuration File in the Diagnostics menu. The Confirmation window displays. 2 Click the Print button. The SelfCheck system prints the *.scc file. Confirmation window 53

54 Bar Code Procedures Set the Bar Code Location on Items 1 Click Policy in the Configure menu. This displays the Policy Properties window. 2 Click the Item tab in the Policy Properties window. 3 Choose an Item Bar Code Location. Click on the option that best represents the bar code location on the library material at your library. Options are: Outside Cover Inside Cover Fly Page You can also enable processing of Video Cassettes and/or CD ROM's circulation from this window. Policy Properties window - Item tab Enable Video Cassettes and CD ROMs Use the following steps to enable processing of video cassettes and CD ROMs. 1 Click Policy in the Configure menu. This displays the Policy Properties window. 2 Click the Item tab in the Policy Properties window. 3 In the Circulation Media Allowed field, click the types of media you wish to be enabled for check-in or checkout on the SelfCheck system. 4 Click OK. 54

55 Set the Bar Code Policy Use the following steps to allow the use of special bar code types on items, if your library identifies some items with the publisher's printed UPC or ISBN bar codes. 1 Click Policy in the Configure menu. This displays the Policy Properties window. 2 Click the Item tab in the Policy Properties window. 3 In the Barcode Policy field, click on either UPC or ISBN bar code(s) if they are used to identify items in your library. This information should be available from the Library Administrator. 4 Click OK. Bar Code Filters If needed, you can also add a bar code filter from this panel. Sometimes, the number on the item cannot be used, as it is, by the automated circulation system (ACS). In these cases, the SelfCheck system uses a bar code filter to modify the number before it is sent to the ACS. The steps below outline this process. The number is read from the item. The bar code filter alters the number to meet the requirements of the ACS. The modified number is sent to the ACS. 55

56 Patron Card Bar Code Filters To select the bar code filters to use on patron cards, follow these steps: 1 Click Policy from the Configure menu. The Policy Properties window displays. 2 Click the Patron tab. 3 If no bar code filters exist or you wish to create a new bar code filter, go to step 4. If you wish to use an existing bar code filter, go to step 6. 4 Click in the Bar Code Filter Name field and click on the New button. 5 The Bar Code Filter Editor displays. This editor allows you to enter a new bar code filter and the parameters for that filter. You can also test the filter using the Test button. Policy Properties window - Patron tab 6 Highlight the bar code filter name you want. If you want to edit a bar code filter, click the Edit button and the Bar Code Filter Editor displays, which allows you to change the parameters for the bar code in question. If you want to remove the bar code, click the Delete button and the bar code name is removed from the list. 56

57 Bar Code Filter Language Bar code filter language allows the SelfCheck System to reconfigure bar codes for your library's automated circulation system. The following section outlines the bar code filter language used with the SelfCheck system. If the string is not found, then the bar code filter does not alter the bar code. If only a string is specified, then that string must appear somewhere in the bar code. If both a string and a number are specified, then the string must appear at the <number> character in the bar code. The first character in the bar code is number 1. 57

58 LENGTH Command Syntax: LENGTH <number> The LENGTH restriction will check the length this line of the of the bar code. If it does not match the number specified, this line of the bar code filter is not used. The SelfCheck system will try the next filter in the list. Note that the restriction may be anywhere in the script, so the bar code may be partially processed before checking. ADD Command Syntax: ADD <string> [AT <number>] or ADD CHECKDIGIT [AT <number>] The ADD action will add a string to the bar code. If a number is not specified, the string or checkdigit will be added to the end of the bar code. If a number is specified, the string or checkdigit will be inserted at the <number> character in the bar code. The first character in the bar code is number 1. CHECKDIGIT Parameter If the CHECKDIGIT keyword is specified instead of a string, the SelfCheck system will sum the digits in the bar code and add a modulo 10 (i.e. character 0 through 9 ) check digit. PAD Command Syntax: PAD <direction> WITH <string> TO <number> The PAD action will add a string to the beginning or end of the bar code. The text may be added before the bar code with LEFT or after the bar code with RIGHT. The action may be used as part of a SUBSTRING action. In this case the entire bar code would not be padded, only the segment of the bar code delineated by the substring. 58

59 REMOVE Command Syntax: REMOVE <string> or REMOVE <number> [AT <number>] The REMOVE action will remove a string or a range of characters from the bar code. If a string is specified, the SelfCheck system will search the bar code and remove all occurrences of the string. If one number is specified, it is the number of characters to remove from the end of the bar code. If two numbers are specified, the first number is the number of characters to remove; the second number is the first character position to remove. The first character in the bar code is number 1. REPLACE Command Syntax: REPLACE <string> WITH <string> The REPLACE action will search the bar code and replace all occurrences of the first string with the second string. Note that the search is NOT recursive, so the first (search) string may be a subset of the second (replacement) string. For example, X may be replaced with XYZ." Bar Code Filter Example 1 This example will use the LENGTH and PAD commands of the Bar Code Filter Language. Problem: Items in the library system have 2 types of bar codes. Older bar codes are 7 characters long Newer bar codes are 10 characters long Solution: The older bar codes must be padded with 000 so that all bar codes will be 10 characters. The LENGTH command will ignore all bar codes that are not of the specified length. The PAD command will insert a character at the start or end until the bar code is a specified length. 59

60 Bar Code Filter Example 2 This example will use the REMOVE and ADD commands of the Bar Code Filter Language. The Bar Code Filter Editor will look like this: Problem: Borrower cards in the library system have 2 characters that stand for the month and year the card was issued. These must be changed to 4 characters that stand for the year. Characters 7 and 8 stand for the month. Characters 9 and 10 stand for the year. Solution: The REMOVE command will take out the month part of the code. The ADD command will insert a string at a point in the bar code. The Barcode Filter Editor Window Bar Code Filter Example 3 This example will use the CONTAINS and REPLACE commands of the Bar Code Filter Language. The Bar Code Filter Editor will look like this: Problem: Borrower cards in the library system have changed format. The meaning of character 5 has changed. If character 5 is an R, it must be changed to a Z. Solution: The CONTAINS command will find only those bar codes with R in the 5th character. The REPLACE command will change the R to a Z. The Barcode Filter Editor Window 60

61 Create a NEW Bar Code Filter Use this procedure to create a new bar code for a patron card or library item. 1 Click Policy from the Configure menu. 2 Click the Patron tab to create a bar code filter for patron cards, or click the Item tab to create a bar code filter for library items. 3 Click the New button in the Bar Code Filters field. This displays the Barcode Filter Editor window. 4 Type a name for the new filter in the Barcode Filter Name field. 5 Enter bar code filter commands in the Barcode Filter area (left side). Refer to "Bar Code Filter Language" in this section. Barcode Filter Editor window Select Bar Code Filter Commands for help, or select the HELP button at the bottom of the editor. 6 Test the new filter commands by entering a code in the Test Barcode window. The software tests the filter as it is entered. Observe the results in the window below. 7 Select the OK button to save the new filter. Edit an existing Bar Code Filter 1 Click Policy from the Configure menu. 2 Click either the Patron tab or the Item tab to view the barcode filter you wish to edit. 3 Click the bar code filter you wish to edit in the Bar Code Filters field. 4 Click the Edit button. The Barcode Filter Editor window displays. 5 Edit the filter commands (or filter name). Refer to "Bar Code Filter Language" in this section. 6 Test the new filter commands by entering a code in the Test Barcode window. Observe the results in the window below. 7 Click the OK button to save the filter. 61

62 Test a Bar Code Filter 1 Click Policy from the Configure menu. 2 Click either the Patron tab or the Item tab for the type of bar code filter to test. 3 Select the bar code filter to test from the Barcode Filter Name field and click the Edit button. 4 Click inside the Test Bar Code field and enter a test bar code string. The test bar code string will be tested as it is entered and the results displayed in the gray window below. If the filter is modified, click the Test button in the upper right corner to re-test the string. The Barcode Filter Editor Window 62

This displays the Patron Information window. 2 At the bottom of the screen below the Exit button, click on the button (A) to start. 3 Enter a patron bar code in the Patron ID field at the top of the window. B A 4 Enter a patron name in the Patron Name field. 5 Click on the button (A) to move to a new record and save data. 6 Click on the Exit button (B) to return to the main screen when you are finished.
