2 Adding Slide Transitions Transition Sound Transitions Transition Speed Apply to All A slide transition is the way one slide changes to the next in Slide Show view. Animations Tab: pause pointer over a Transition icon to preview effects and display Screen Tip with name of transition. Advance Slides: On Mouse Click Animations Automatically After and specify the time interval To specify different timing for each slide: Slide Show Rehearse Timings After rehearsing presentation, the time each slide was displayed is saved with the presentation.

3 Transition Speed and Sound Animations Transition Speed Select options from drop-down menu Animations Transition Sound If using sound, select from drop-down menu. Animations Apply to All to apply selected transition to entire presentation Select No Transition to remove transitions.

4 Design Considerations for Transitions For professional appearance apply the same transition to all slides using the Slide Master. Multiple transitions in a slide show Makes presentation look choppy and disorganized Slide transitions can be applied to multiple selected slides in the Slide Sort view

5 Previewing Transitions Transitions can be previewed by: Clicking the transition icon displayed next to each slide in the Slides Tab, or Below each slide in the Slide Sorter view

6 Animating Objects on a Slide Animation is a visual effect in which objects appear to move. Text and objects can be animated to move onto a slide To animate text or an object, click the text or select the object and then click Animations Animate Object: select an animation such as Fade or Wipe For text: Select All at Once under animation to have text transition at same time Select by 1 st Level Paragraph to have each bulleted item transition one by one Remove Animation: select text and click Animations Animate No Animations

7 Custom Animation Use Custom Animation to: Make adjustments to an animation and to the order of animated items Click Animations Custom Animations Numbers identify each animated element and the order in which they appear are displayed on the slide Numbers in the task pane list correspond to numbers on the slide next to animated objects.

8 Custom Animation Select a numbered item in the list to view the animation details: the action that causes animation to start, and the direction and speed of the animations Click Play to preview animation Click or to change the order of the selected items. Click Change to apply a different animation or modify options Select Remove to delete animation effects from selected items

9 Design Considerations for Animations For professional appearance, Apply the same animation to the same types of text or objects on all slides using the slide master Viewing a slide show with different animations for each item or slide is Perceived as choppy, disorganized and not polished or professional Animations can be previewed by clicking the transitions icon displayed next to each slide in the Slide Tab or Below each slide in the Slide Sorter.

10 Drawing Annotations in a Slide Show Annotations are markings made on a slide that help the audience better understand the content To add annotations in Slide Show view: Right-click and Select Pointer Options Select pen type. Drag to draw on the slide Change color of ink: Right-click and select ink color Annotation Button appears during slide show, when you move the mouse over bottom left-hand corner the annotation button can be selected here. Remove annotations: User Eraser or select Erase All Ink on Slide Select Arrow to return arrow to pointer When slide show is finished, a prompt will ask if you wish to Keep or Discard Annotations

11 Creating a Power Point Template A template is a master presentation that includes the basic formatting and elements for particular types of presentations. A template usually includes: Customized layouts Placeholders that indicate the types of information to place in them A theme Any changes to colors or fonts A PowerPoint template is saved with a.potx file extension. To create a new template: Format the presentation Select Save As to display dialog box Select PowerPoint Template in the Save As type list To create a new presentation from a template: Select Office Button New Select My Templates Select a template, OK Pre-installed templates: Office Button New Select Installed Templates

12 Adding a Sound to a Slide Sound is an audio file that can be added to a slide and played during a slide show Click Insert Sound Sound from Clip Organizer to display ClipArt task pane Select Sound Insert A sound Icon is added to the slide and a dialog box is displayed: Choose to play sound Automatically or When Clicked Sound stops playing when another slide is clicked or when the sound file ends.

13 Sound Options Click Preview or doubleclick the sound icon on the slide to play the sound once. Click Slide Show Volume to adjust the overall volume for all slides Select Hide During Show so that the sound icon is not displayed during the slide show Select Loop Until Stopped to repeatedly play a sound until a different slide is displayed Play Sound List displays options for when the sound is played in the slide show Sound icon can be moved and sized like a picture.

14 Recording Sound Sound can be recorded and attached to a slide by connecting a microphone to the computer Insert Sound Record Sound Narration can be recorded by clicking Slide Show Record Narration Play music from CD: Place CD in drive Click Insert Sounds Play CD Audio Track The music files are not added to the presentation just played from the CD in the drive during the presentation.

15 Choosing Sounds Compatible sound file formats: AIFF AU MIDI MP3 MPEG WAV WMA Sounds should be Appropriate for the audience and topic Sounds should enhance the slides without becoming annoying Too many sounds can have a negative effect.

16 Adding a Move to a Slide A movie is a digital video file that comes from various sources including digital cameras or illustration software. An animated GIF is a file with several graphics that display in sequence and appear animated Animated GIF is not a movie but is treated the same way in PowerPoint To add movie: Click Insert Movie Movie from File or Select Insert Movie Movie from Clip Organizer to display Clip Art task pane Choose to play automatically or when clicked Movie stops playing when another slide is selected or when movie ends Animated GIFs play continuously until next slide is selected Compatible movie formats: ASF, AVI, MPEG, MPG, WMV

17 Movie Options Click Preview or doubleclick movie on the slide to play movie once Slide Show Volume adjusts overall volume for all slides Loop Until Stopped to repeatedly play until a different slide is displayed Play Full Screen to fill the screen with the movie when it plays Options in Play Movie list affect when the movie is played in a slide show Select movie to display handles for sizing Select movie and press Delete to remove a selected movie

18 Choosing Movies Be sure the movies are appropriate for audience and presentation topic Movies should add information or enhance a topic without distracting the audience from the topic. Movies should be: Good visual quality, Should not be too long so the audience does not get distracted

19 Delivering a Presentation Refers to the location and manner in which the audience experiences the presentation Methods: Live speaker narrates while presentation is projected onto a large screen Live speaker in one location presents to audience members in another location The presentation is played in a continuous loop unattended Presentation is distributed on CD or published to Web Presentation is printed and given to audience to read

20 Standard Presentation Model Provide handouts and introduce yourself and the topic. Keep a copy of the handout for yourself Give the main presentation. Field questions from the audience Provide a firm conclusion Summarize what you presented Address audience input and questions

21 Packaging a Presentation PowerPoint presentation that will be delivered in a different location will need to be packaged. All files associated with the slide show such as linked clips will need to be copied to a CD or a folder on a hard disk or storage medium. Once packaged the folder can be moved to other computers or the CD can be copied or distributed.

22 Packaging for CD To copy an open PowerPoint presentation, select the Office Button Publish Package for CD Type a name for the CD or the new folder in the Name the CD box Select Add Files and select additional presentations and files to add to the package, such as any linked movie files. Select Options to display a dialog box with options for the Viewer, linked files, embedded fonts, and passwords that restrict opening or modifying the presentations Click Copy to Folder to package presentation to a folder on the computer or network. Click Copy to CD to package the presentation to a blank, writable CD in a writable CD drive.

24 Creating an HTML File and Publishing a Presentation to the Web HTML is the file format for documents viewed using a web browser, such as documents on the Web Publishing a presentation means to place a copy of the presentation in HTML format on a Web server or in a folder. Save a presentation in HTML format: Select Office Button Save As Select Web page type in the Save as type list (.mhtml for single file web page) Click Change Title to give the Web page a descriptive title which is displayed in the Title bar of the browser. Select Publish to display a dialog box.

26 Creating a Photo Album Photo album feature is used to create a slide show of pictures To create a photo album presentation: Click Insert Photo Album New Photo Album Select File/Disk to locate and select a picture file Add pictures one by one to the list in the dialog box After selecting a layout in the Picture layout list, select Captions below ALL Pictures to add caption to every slide A Theme can be applied in the Theme box To edit a photo album presentation, click Insert Photo Album Edit Photo Album which displays a dialog box of options
