1 IBC Protocol Management System Training Guide Go to: General Guidance for Using the Topaz Software: Passwords: Password should be changed at your first login Select a password that is easy to remember (passwords will not expire) Silverlight Navigation: Silverlight does not recognize the right click button on your mouse: You must use the following key pad short cuts: Ctrl + c (Copy) Ctrl + x (Cut) Ctrl + v (Paste) Ctrl + z (Undo) The double arrow will page down The single arrow enables you to move to the next question on the form Recommendation: Using a scrolling mouse is the easiest way to move between questions in the form. The single arrow with a line will take you to the end of the form Attachments: You may want to add an attachment to some questions when completing the protocol application. Files you plan to attach should first be saved to your desktop. The attachment can then be added to your protocol by clicking the paperclip icon in the question field and attaching the file directly from your desktop. IBC reviewers cannot open attachments originating from a mapped drive on your computer. Deleting Not Submitted Protocols: The IBC requests you delete protocols that will never be submitted. This can be accomplished by opening the protocol and clicking the delete icon in the top right hand corner of the protocol. Page 1 of 5

2 Login Username: Your LastNameFirstInitial Password: Topaz (please change password on first login) Press F11 to get full screen The internet web browser navigation buttons should not be used when navigating in Topaz Click on Protocol Click on Create Original Protocol Page 2 of 5

3 The Select Form page will open. Click IBC Protocol Application Form to open.!important: Save your work often. The Outline and Application Form will open as shown below: Required Questions Unanswered Questions E-signature Special Helpful Features You may click the Required Questions and Unanswered Questions filters to display all required question that remain unanswered in the outline. The number of unanswered questions will be updated each time you save your work. Turning on the numbering by clicking the numbers may assist you with identifying the protocol form sections Page 3 of 5

4 The icon is used to add items. You will first encounter this icon when you add protocol associates. You can use the quick filter to find staff members (search by last name). Click the by the staff member you want to add (Their name will be moved to the right column). Click the by a staff member if you want to remove them as a selected protocol associate.!important: Select 1000 from this drop-down menu (this selection is critical to ensure you are able to view all possible protocol associates) Review and Reports A PDF can be generated to review your protocol before submitting. Use the 2 nd report Protocol Detail Report Answered Questions only. A printed report of the approved protocol must also be generated and maintained in the Biosafety manual. Page 4 of 5

5 Submitting Protocols When the application is complete, click Submit, and then click Set Status. No changes can be made to the protocol after it has been submitted. The protocol will be available in your Dashboard as a Submitted Protocol. Logging out You must use the small silhouette in the top right hand corner to logout or change your password.
