5 Introduction Welcome to Kennesaw State University s Files.Kennesaw.Edu Web File Storage system. KSU s Files.Kennesaw.Edu system will provide students, faculty and staff with individual storage space to be accessed from over the Internet from anywhere, anytime. Within those storage areas, users can store files, create folders and subfolders with unique access rights for their class work, personal files and even their own web sites. Accessing Your Files.Kennesaw.Edu Account To Log-in to Files.Kennesaw.Edu: 1. Open a web browser and point it to: 2. Login with your NetID username and your NetID password With a successful login, you will arrive at your Files.Kennesaw.Edu account Home Page. Important: Always logout from your Files.Kennesaw.Edu account using the Logout link at the top-left corner of your account. The Files.Kennesaw.Edu Home Page On your account Home Page there are various tools for navigation through your directories and management of your files, including Bookmarks, Searches, and Utilities. 5
6 The Main Toolbar The Navigation Toolbar will allow you to navigate to different directory, create new directories and upload files to your account. You can also use the Navigation Toolbar to move, copy, rename, delete and links to one or more files or an entire directory. Directory Path The Directory Path is located directly above the directory contents listing. It can be used to verify the location of the current directory and to navigate to the parent directory. You can also use the action icons directly to the right of the directory path to manage the current directory, including bookmarking the directory. Bookmarks Are both convenient shortcuts to more commonly used directories within your account and also links to other users directories for which you have been granted permission to access. Utilities Allows you to set some of your account preferences, maintain your Contacts and Groups, and empty your Trash. Account Size Information The bottom gray bar of File and Directory Management features the current directory s quota and size information. Total Size: The sum of the size of all files, directories and subdirectories. Quota: The maximum amount of information that can be saved in the current directory; 1 GB for Faculty/Staff and 250 MB for Students. Available How much space remain available for you to use. 6
7 Using your Files.Kennesaw.Edu Account The Files.Kennesaw.Edu system has many basic functions. All of these basic functions involve the storing, organization, and management of your files. To upload a file to your Files.Kennesaw.Edu account: From your Files.Kennesaw.Edu Home Page, select the Upload icon from the Navigation Toolbar. To upload one (1) file: 1. Click on the Browse button 2. Browse to the file that you wish to upload and click on it to select it 3. Click Open 4. Click OK To upload multiple files: 1. Change the Number of files to upload option in the upper right corner 2. Using the drop down arrow, select the number of files you wish to Upload. You can upload up to 20 files. 3. Click on the Browse button 4. Browse to the file that you wish to upload and click on it to select it 5. Click Open 6. Repeat steps 3 6 until you have chosen all the files you want to upload. 6. Click OK The file(s) will appear listed on your account Home Page. Note: You can also upload many files at one time with the Web Folder feature. See page 12 for information on Web Folders. 7
8 To edit a file using your Files.Kennesaw.Edu account: 1. Open the file you wish to edit by clicking on the file s name The file should open in its native application 2. Edit the file and Save it 3. The file is updated in your Files.Kennesaw.Edu account To edit a file without using your Files.Kennesaw.Edu account: 1. Open the file you wish to edit by clicking on the file s name 2. Save the file to the computer s hard drive 3. Edit the file and Save it 4. From the Files.Kennesaw.Edu Home Page, click the Upload icon from the Navigation Toolbar 5. Click on the Browse button 6. Browse to the updated file that you wish to upload and click on it to select it 7. Click on Open 8. Click on the box next to Overwrite file if it already exists 9. Click OK 10. The new updated copy of your file will appear in your Files Main page 8
9 To view a file: 1. Click on the name of the file once to open it 2. You may be asked to re-enter your NetID Username and Password 3. The file will open in its native application To create a directory (folder): Organizing your files into directories and subdirectories helps you to better manage and keep track of the files you have uploaded to your account. Directories also have their own properties which further help in managing your files. 1. Click on New Directory icon on the Navigation Toolbar 2. Enter the Directory Name 3. Click OK The new directory will appear in files main page. Follow the steps above to create subdirectories To move files in directories: You can move one file or multiple files to a directory 1. Select the file(s) you wish to move by clicking in the check box to the left of the file s name 2. Click on Move icon on the Navigation Toolbar 3. Click on Browse button 4. Browse to the directory to which you wish to move the files(s) 5. Click OK 6. Click OK again to move the file(s). The file(s) will be placed in the directory you selected 9
10 To copy a file: 1. Select the file that you wish to copy by clicking in the check box to the left of the file s name 2. Click on the Copy button on the main toolbar 3. Browse to the place to which you wish to save the copy (you may save it in the same place if you wish). 4. Click OK 5. Click OK again to copy the file To delete a file: 1. Select the file that you wish to delete by clicking in the check box to the left of the file s name 2. Click on the Delete button on the main toolbar To rename a file: 1. Select the file that you wish to rename by clicking in the check box to the left of the file s name 2. Click on the Rename button on the main toolbar 3. Rename the file 4. Click OK 10
11 To search for a file: The Search tool allows you to search for files within the entire Files.Kennesaw.Edu system or just your home directory. You may search for files you own as well as files which are not owned by you but for which you have access permission. Note: When selecting criteria for your search, keep in mind that the results returned must match ALL of the chosen criteria. Searches can be saved, edited, and deleted. Additionally, the last search you ran is automatically saved so that you can reload it into the search screen, edit that search, and reuse it. 1. Click on the search button in the top Toolbar There are 2 modes of searches: Basic Search - searches based on the file name and file contents only Advanced Search searches based on many properties of a file such as Creation Date, Created by, and File size. By default, the Search Mode is set to Basic. If you wish to change to the Advanced Mode, click in the Search Mode drop-down box in the upper right corner of the search screen. 2. Enter the word or partial word in the name of the file you wish to find in the All or Part of the file name field 3. Enter the word or partial word in the content of the file you wish to find in the A word or phrase in the file field 4. Enter the directory or directory path in which you wish to search If you don t know the exact path, click on Browse, and navigate to the directory from which you wish to search. If you want to search the whole KSU Files.Kennesaw.Edu system, set the path to / 5. You may also, optionally, save the search so that it appears in your list of searches. 6. Click Search The search results display a list of the files matching your criteria 11
12 Web Folder using Internet Explorer on a PC Web Folders are a valuable tool for editing your files in their native applications. If using Internet Explorer and a Web-DAV enabled application such as Microsoft Office, you may create a web folder and open and edit files directly from that folder. The web folder looks like a folder on your local desktop; however it actually corresponds to a folder within your account. In other words, you can leave the Xythos interface and work directly with the tools and applications you work with everyday. To create a Microsoft Web Folder when using Internet Explorer: 1. Select the File for which you wish to create a Web Folder by clicking in the check box to the left of the File s name 2. Click on the Web Folder button Your computer may be set to automatically open that web folder, or you can use Windows Explorer to access the new folder under "My Network Places" (Windows 2000 and XP) or "Web Folders" (Windows 98 and NT). For more information about mapping Web Folders, refer to Enabling Web Folders and WebDAV Support within this Help. The Web Folder button will only appear if using Internet Explorer. It enables you to create a Web Folder mapped to your directory from within the Web application. To upload many files from your computer to your Files.Kennesaw.Edu account: 1. Open your My Computer window and navigate to the files or folder that you wish to upload. 2. Select the files or folder that you wish to upload. 3. Copy the files or folder to the clipboard. 4. Go to your Files.Kennesaw.Edu account, and click on the Web Folder button on the main toolbar. 5. Paste the contents of the clipboard into the Web Folder 12
13 Web Folder Alternative for Mac Users (Tested with OSX) To connect to your Files.Kennesaw.Edu account: 1. On the Go menu, click on Connect to Server 2. The Connect to Server window should open 3. In the Server Address box enter: 4. Click on the + button to add the new server 5. Select the server from the Favorite Servers section 6. Click on Connect 7. You will be asked to enter your username and password again. 8. The Files.Kennesaw.Edu account will open and appear as an icon on your desktop. 13
14 Sharing Your Files One of the most powerful features of your Files.Kennesaw.Edu account is that you can share your files. Before you share any files, you may want to add some contacts. You can think of contacts as people with which you may regularly want to share your Files. Adding contacts: Contacts are other users you have chosen to add to your list of contacts and groups. Your Contacts should be the users you wish to allow specific access to your Files and Directories. It is easier to share Files with people that are already in your Contacts list. To add a Contact: 1. Click on the Contacts and Groups link under Utilities 2. Click the Add New Contact button from the top toolbar 3. Search for a user either by the user s display name (First Name) OR search by the user's login ID (NetID) 4. Click OK 5. You will then be prompted to choose the correct user(s) 6. Click the Check Box to the left of each user you would like to add as a Contact 7. Click Add Contact 8. Click the Back button to close your Contacts and return to the File and Directory Management screen Later you may specify the files and directories this user may access via Sharing, please refer to page
15 Adding groups: You may sometimes wish to make your files available to a customized group of users rather than to individual users. Contact Groups are a convenient way for you to organize groups of users that need to access the same files. By granting the Group permission to access a file or directory, you allow every user in that group to access it. To add a group: 1. Click on the Contacts and Groups link under Utilities which shows your existing contacts and groups 2. Click the Create Group button from the top toolbar 3. Type the name you wish to give this group into the New Group Name field 4. Click Ok 5. Once you are taken back to the Contact Group's properties page, click on the Add New Members button in the top toolbar 6. Either find the users you wish to add to this group using Find Users or if available, choose users from your current list of Contacts 7. When you are finished, click the Ok button 8. Click on the Add New Members button as many times as you need to add additional users to your group 9. Once complete, click the Back icon at the top of the page 10. Click Done to close your Contacts 15
16 Sharing your files and directories Files.Kennesaw.Edu allows you to share any file or directory with any individual or groups. You are the Administrator to all the files and directories in your Files account. By using the sharing functionality, you may grant specific access rights to individual users, groups or to the Public as a whole. Note: When you share a file or a directory with others, they are not automatically notified. You will need to either tell them about the share ad they can search globally for the file, or you can use the share notification feature. To find out more about the e- mail share notification feature see page 17. Three (3) sets of permissions are associated with every File or a Directory created in your Files.Kennesaw.Edu account: Owner - You are the owner of all the items within your files account. This is the share icon. Users with Accounts - These are any users within the Files.Kennesaw.Edu system. Files.Kennesaw.Edu users must be logged in to see the Files and Directories to which access has been granted to them. Public - Any user accessing the Files.Kennesaw.Edu system without having an account. Selecting the Public permission will make your files and/or directories public to the outside world. Files.Kennesaw.Edu enables you to control access to your files in four different ways Read, Write, Delete, and Administer. To share a file or a directory with a user or a group: 1. Click on the Share icon of the file or directory you wish to share 2. The Sharing page displays the current permissions set for this file or directory, and it allows you to edit the current permissions 3. Click the Add User/Group button in the top toolbar 4. Choose a User or Group with which you wish to share your File or Directory 5. The Find a User and Groups page displays both your personal contact list and also provides a means for you to search for a specific user or group 6. Either choose a user or group from Your Contacts and click Ok, OR Search for a user either by that user's Display Name (First Name) or by that user s ID (NetID) 16
17 7. Select the permissions you wish to grant the user or the group to be able to access your data 8. Click Apply button 9. Click Back icon in the upper left-hand corner to exit the Sharing screen To change the access rights of a file or a directory: 1. Click on the Share icon of the File or Directory you for which you wish to change the access rights 2. The Sharing page displays the current permissions set for this File or Directory 3. Adjust the permissions according to how you want other users to be able to access your data 4. Click the Apply button 5. Click the Back in the upper left-hand corner to exit the Sharing screen To permanently prevent a user or group from accessing your file or directory: 1. Click on the Share icon of the file or directory you wish to stop sharing 2. The Sharing page displays the current permissions set for this file or directory 3. Click the Remove User/Group button in the top toolbar 4. Check off the check box next to each user and/or group you wish to permanently remove sharing privileges It is possible to remove all permissions and keep this user in your list of sharing contacts for this file or directory. If you wish to keep this user without allowing them access privileges, simply turn off all permissions to the user or group. 5. Click Apply button 6. Click Back in the upper left-hand corner to exit the Sharing screen 17
18 Share Notification When you share a file with others, they are not automatically notified. You can use the E- mail Share Notification features in your Files.Kennesaw.Edu account to let them know that you have setup a shared file. Note: The share notification feature uses the client that is installed on your computer. For faculty/staff at KSU this will be the GroupWise client. If you are at home, the share notification feature may open Outlook Express or Outlook, if installed on your computer. If you are a student in a computer lab on campus, There are two ways to notify someone that you have shared a file with them: Links Tickets 18
19 Links One of the easiest ways to notify someone that you have shared a file with them is to send them a link to the file using . Using the Files.Kennesaw.Edu interface, you can send links to files, instead of sending the files themselves, which is both faster and saves unnecessarily wasted disk space. There is no need to make duplicate copies of a single file when you can simply share the file, and send a link to the original. In this manner, everyone with which a file has been shared is always looking at the most recent version of the file and there is also no longer any need to save the file to their local computer. ing File Links The default format for ing a link is the abbreviated or short link to the file. The abbreviated link is also known as the file's Intellilink because it uses Intellittach technology to create a shorter link which is useful in preventing the URL from wrapping once it is pasted into the message itself. Once the link is pasted into the message, the link should not wrap and thus allows the recipient user to simply click on the link to access the file. The Intellilink also automatically launches the Files.Kennesaw.Edu interface when the recipient user clicks the link. You may also choose to the file's full URL which includes the specific directory path and name of the file. The primary advantage of ing the full URL is to expose the directory path of the respective file to the recipient user. Should the user have problems accessing the file, it becomes easier for the recipient user to browse to the file knowing the full directory path. Note: Keep in mind that access permission must also exist in order for the user to browse to the file. You must share the file with someone or they will not be able to open the file with the link. To the Intellilink (short link) address of a file: 1. Navigate to the file for which you wish to the URL. 2. Select the file(s) and/or directory(s) for which you wish to send a share notification, by clicking in the checkbox to the left of the filename. 3. Click on the button on the main toolbar. 4. The Link option should already be selected. 5. Click on the button 6. The system automatically opens a new message with the chosen URL pasted into it. 7. Once you finish writing and sending the appropriate , return to your browser window. 19
20 To the long address (or full URL) of a file: 1. Navigate to the file for which you wish to the URL. 2. Select the file(s) and/or directory(s) for which you wish to send a share notification, by clicking in the checkbox to the left of the filename/directory. 3. Click on the button on the main toolbar. 4. On the page, select the "Advanced Link Options" button. 5. Next, check off the "Send Long URL instead of Intellilink" checkbox 6. Click on the button at the bottom of the page. 7. The system automatically opens a new message with the chosen URL pasted into it. 8. Once you finish writing and sending the appropriate , return to your browser window. To send a link from a web-based application: 1. Navigate to the file for which you wish to the URL. 2. Select the file(s) and/or directory(s) for which you wish to send a share notification, by clicking in the checkbox to the left of the filename/directory. 3. Click on the button on the main toolbar. 4. Select the link that appears in the These are the items you have chosen to send: section, and copy it to the clipboard by clicking on the Edit menu, and then Copy. 5. Open your web-based program; such as students.kennesaw.edu or Hotmail. 6. Start a new and paste the link address into the body of the , and add to the beginning of the link. 7. When you are finished with the , send it as you normally would. 20
21 Tickets Another option for share notification is a ticket. Tickets allow the access permission to be defined per ticket, rather than per user. Therefore, you can create a ticket such that any user who knows the URL may access the file. Caution: Tickets allow users access to your files and directories without requiring those users to have an account on the Files.Kennesaw.Edu system and without the need to change the user's permission. Caution: Tickets are not as secure as links. Do not use tickets unless you have to share a file with someone outside of the Files.K.E system; and do not use tickets with files that contain sensitive information. Caution: If a person receiving an ticket to file decides to forward that to someone else, that person will also have access to the file. Tickets allow both Files.Kennesaw.Edu users and non-files.k.e users to access your files, directories and subdirectories. By using the ticket function, you may allow specific access to your directories, subdirectories, and the files within them. A directory ticket can be thought of as a direct link to a directory; once a user clicks on that link (sent to them by you), the directory's file and subdirectory listing displays just as you would see it in its regular directory listing screen. It is also possible to password-protect a ticket. Once the user receives the ticket link via , the recipient will be required to enter a password, provided to them by you, before being granted access to the directory or file. This is an added security measure. Note: You may grant a ticket read/write access permission but if the ticket has been password protected and the user receiving the ticket link is unable to enter the password, that user will not be able to read nor write to that directory or file. 21
22 Default Ticket Values Your ticket has the following default properties: Property Default Value Additional Options Permissions Read-only May be Read-Only or Read/Write Lifetime 30 days Can be anywhere from 1 day to an unlimited amount of time System-determined. The default name is May be any name that has not already been used for another ticket. Name is a randomly generated identifier should you create more than one ticket for this directory or file on a particular day. Password none There are no limitations on the password other than a reasonable character length determined by the system To create a ticket: 1. Navigate to the directory or file for which you wish to create a ticket 2. Select the file(s) and/or directory(s) for which you wish to send a share notification ticket by clicking in the checkbox to the left of the filename/directory. 3. Click on the button on the main toolbar. 4. Select the Ticket option If you wish to use the default values, Click on the button to create your ticket, and go to step 7. If you wish to set advanced options, such as an expiration date, click on the Advanced Ticket Options button and go to step 5. 22
23 5. Change the values or set a password 6. Click on the button to create your ticket 7. Your default client will open a Mail To (or Compose Message box) with the ticket link embedded in it 8. Enter the address of the person you wish to send this link 9. You may send the ticket ( message) to ANY user (Files account holders or non-files account holders) 10. Also, you may use this link at a later date. As long as the ticket exists, you can find this link on the Manage Tickets page 11. Click the Back icon to return to the main directory info screen 23
24 Tracking File Changes File Versioning: Allows you to track every change made to any file by saving a copy (version) of a file each time that file is saved. Versioning is a useful function for any file with multiple users making changes because it allows you to see just which changes were made each time a file was saved. When you turn on the Versioning option for a file, the system automatically keeps a copy of each file that is updated. If you, or another user, edits your file and saves the changes made, Versioning allows you to go "back" to the older copy before the changes were made, providing an automatic backup for overwritten files. Versioning also includes the ability to Check in and Check out a file. This functionality allows you to make multiple edits to a file for which versioning is on, without saving multiple versions of that file. In this manner, you can control exactly which versions are saved in a file's history. To turn Versioning on or off: 1. Navigate to the file for which you wish to turn on versioning 2. Click on the Manage icon for the respective file 3. Use the Version on/off drop-down option to turn versioning on or off 4. Click "Back" to exit the Manage file screen. To view an older version of a file (only applicable if versioning is turned on): 1. Navigate to the file for which you wish to view 2. Click on the Manage icon for the respective file 3. Click on the Versions link. 4. The Versioning window displays each stage of an evolving document: Version 1, Version 2, etc 5. Simply click on the version number in the Versioning window for the version of the file you wish to view. Note you will only be able to view the file and will not be able to edit it 6. The system also allows you to copy any version of your file, thus re-creating your file at any stage in its history at which changes were saved. 24
25 To regain an older version of a File: 1. Navigate to the File you wish to restore 2. Click on the Manage icon for the respective file 3. Click on the Versions link. The Versioning window displays each "stage" of an evolving document: Version 1, Version 2, etc 4. Click the Copy icon in the Versioning window and specify a destination path for the new copy 5. To rename the file, simply change its name in the Destination text box and click on Submit. The copied version now appears in the current directory listing Directory Versioning: Directory versioning represents the default versioning setting for all files created within that directory. There is no versioning history for a directory If Versioning is "Off' for a directory, each new file uploaded to that directory will be uploaded with Versioning disabled. Additionally, all new subdirectories will have a Default Versioning parameter of "Off". You may or may not be able to change that setting on a per-file basis depending on how your administrator configured the system. If Versioning is "On" for a directory, each new file uploaded to that directory will be uploaded with Versioning enabled. Additionally, all new subdirectories will have a Default Versioning parameter of "On". You may or may not be able to change that setting on a per-file basis. To turn default versioning on or off for a directory: You may or may not be able to change this setting depending on your system's configuration. If this parameter is editable, the Versioning link will appear on your Directory's info screen. 1. Navigate to the directory you wish to change default versioning 2. Click on the Manage icon for the respective directory 3. Click on the "Versioning" link in the Information screen 25
26 4. Use the Versioning on/off drop-down to turn versioning on or off If you would like this parameter changed for all existing files and subdirectories within this directory, check off the Apply this setting to all sub-directories and file 5. Click the Back icon to return to you directory's info screen File Check-in and Check-out When you turn versioning on for a file, you are automatically given the option to Checkin and Check-out that file. There are 3 types of actions involved in file check-in/checkout: Checking-out a file allows a user to edit the file and save it multiple times without creating multiple versions of that file. Checking out a file also creates a lock (if the file is not already locked) on a file which prevents other users with write permission on that file from editing it. Checking out a file does not, however, prevent users with read permission from seeing the changes made to the file while it is checked out. Users will be able to see the very latest version of the file whether or not the file has been checked in. Checking-in a file creates a permanent version of the file that encompasses all changes made while the file was checked out. Checking in a file also removes the lock on the file. Un-checking out a file not only removes the lock that was created when the file was checked out, but it also removes the temporary Version of the file that was created when the file was checked out. Un-checking out a file essentially reverses the entire checkout process. No changes made to the file while the file was checked out are kept after the file is unchecked out. To Checkout a file (only applicable if versioning is turned on): 1. Navigate to the file you wish to check out 2. Click on the Manage icon for the respective file 3. Click on the Versions link 4. Click the Checkout button. Automatically, a temporary version of this checked-out file is created 5. Click Back to return to the Information screen. You may now edit this file as you wish and no additional versions of it will be created 26
27 To Check-in a file (only applicable if versioning is On and the file is checked out): 1. Navigate to the file you wish to check in 2. Click on the Manage icon for the respective file 3. Click on the "Versions" link 4. Click the "Check-in" button. The checked in version overwrites the temporary version that was created when the file was checked out 5. Click "Back" to return to the Information screen. To Un-checkout a file (only applicable if versioning is On and the file is checked out): 1. Navigate to the File you wish to un-checkout 2. Click on the Manage icon for the respective file 3. Click on the Versions link 4. Click the "Un-checkout button. The temporary version that was created when the file was checked out is automatically deleted 5. Click Back to return to the Information screen 27
28 FAQ I am able to navigate around my account, but I get an error when I try to download a file. Why can't I read my files anymore? If you cannot read one of your own files, you, or another user, may have exceeded the bandwidth quota for your directory. Your bandwidth quota applies to uploads to and downloads from your account for ALL users accessing files under your home directory. You will not be able to upload or download files until your bandwidth quota is no longer at its limit. Once the time over which your bandwidth quota applies has lapsed, you will be able to access your files again. I can't find a file but I know I've uploaded it to my account before, how can I find it? You can find a file using either the Basic Search or the Advanced Search. Basic Search offers you the possibility of searching for a file based on its name and/or contents only. The Advanced Search offers you the possibility of searching for a file based on its name, contents and any of its properties. Is there a way for me to find out every time someone edits a certain file? If your administrator has turned this feature on, you can be notified when a file has been edited by using Subscriptions. Subscriptions give users the ability to request to be notified via when files or directories, to which that user has read access, are viewed or changed.
