1 WebEx Sharing Resources for Mac Introduction During a WebEx session, the host has the ability to share resources with attendees. This document will take you through the process of sharing documents, applications, your computer desktop, whiteboards, web content and ios devices. Sharing Presentations or Documents If you do not need to edit a document during a training session, then file sharing is ideal. You can share most any type of file that you can print from your computer. A shared file is viewed by the participant in the content viewer so they do not need to have the application in which the document was created. 1. Click the Share menu at the top of the screen and then click File (Including Video) Figure 1 2. Navigate to and select the file you wish to share. Select the file and then click the Open button. The file will open in a new tab. 2 3. You will see a right and left arrow above the document. Click on these arrows to move from page to page. You may also click on the blank space next to the slide number to select any page or slide. Figure 3 4. To close a shared document or presentation, make sure the tab for that document or presentation is selected. Click the File menu and then choose Close. Figure 4 5. Figure 5 Sharing a Whiteboard The whiteboard allows you to draw objects and type text so all participants may see it in their content viewers. Within the whiteboard, you may copy and paste images, print, use a pointer, and display various magnifications. 1. Click the Share menu and then click Whiteboard. Figure 6 2

3 2. A new tab will open titled Whiteboard. Figure 7 3. To write on the whiteboard you use the annotation tools. These tools are explained in the next section. Using Annotation Tools WebEx software allows you to annotate certain aspects of your shared session. This section will go over the annotation toolbar and give a brief overview of each annotation feature. Some of these tools have multiple options in a fly-out menu. Tools with additional options will have a small arrow to the right of the tool s button. Figure 8 1. The Annotation button works like a light switch enabling or disabling the annotation toolbar. Figure 9 2. The Allow annotation button provides the meeting host with the ability to allow attendees to annotate. By accessing the tool s fly-out menu, you can allow all attendees or specific attendees to annotate. Figure The Arrow Pointer button will change the mouse pointer into an arrow. When you click in the screen to annotate, it will place an arrow with your name on it. Clicking again in a different area of the screen will move that same arrow. This tool s fly-out menu contains the option to switch between the Arrow Pointer and a Laser Pointer. When activating the Laser Pointer option, your mouse will behave as if it were a laser pointer in the annotation screen. Figure 11 3

4 4. The Text Tool enables you to type in the annotation screen. Once you are finished typing, you cannot edit the text. If you need to retype, you must use the Eraser tool to erase your text and start again. You also have the ability to change the color of the text using the Annotation color button. Both of these tools will be covered below. Figure The Line tool provides you the ability to draw straight lines in any direction. Left-click, hold and then drag the mouse in any direction you wish to draw a line. When you release the mouse button, the line will appear in the color you have selected from the toolbar. The fly-out menu for this tool provides you with the options to draw a line with a Single Arrowhead or a Double Arrowhead. Figure The Shape tool has multiple options in its fly-out menu. Each option enables you to draw the corresponding shape by left-clicking and dragging to change the size of the shape. Shape colors are controlled by the Annotation color tool. The shape tool options are: Square Shape, Oval Shape, Check Mark and X Mark. Figure The Pen Tool turns your mouse pointer into a pen. There are two options in this tool s fly-out menu. The Pen Tool provides a thick line while drawing. Conversely, the Pencil Tool provides a thin line. As with the other tools in this menu, the color is determined by the Annotation color tool. Figure The Annotation color tool s fly-out menu provides sixteen colors to choose from for any of your annotation tools. Figure 16 4

5 9. The Eraser tool works like a light switch. Click on it once and you have activated the tool. Click again and you have deactivated the Eraser. The Eraser tool s fly out menu provides you with four options: a. Clear My Pointer If you have used the Arrow Pointer tool, this option will clear your pointer. b. Clear All Pointers This will clear all Arrow Pointers added by anyone with annotation permission. c. Clear My Annotations This option clears any annotations you have made. d. Clear All Annotations This will clear all annotations made by anyone. Figure The Save button in the Annotation Toolbar provides the ability to save the sharing screenshot along with the annotations. Figure When you click the Save button, the Save File As window appears. Navigate to the folder in which you wish to save, name your file and then click the File Format: drop-down menu and select PDF from the list of types. When you are ready, click the Save button. 6 Sharing Applications You can share applications with meeting participants. Participants can view the shared application without having to run the application on their computer. 1. Click the Share menu and then hover your mouse pointer over Application. A list of all of your currently running applications will appear in a submenu to the right. Figure If you would like to share an open application, select it from the list. 3. If you would like to share an application that is not currently open, select Other Application. The Share Application window opens. 4. Scroll through the list of applications to locate the software you wish to share with your attendees. 5. Left click on the application you wish to share and then click the Share button. It is possible to share more than one application at a time. To do this simply repeat the previous steps. Figure To stop sharing the application, hover your mouse at the top of the screen and then click the red Stop Sharing button. Figure 22 6

7 Sharing Your Screen Sharing your screen will share everything you see. This will enable you to share multiple programs simultaneously without having to repeat the steps in the previous section. Please be aware that when you are sharing your screen, all attendees are able to see all maximized applications, notifications, icons, etc. 1. Click the Share pull down menu and choose My Screen. If you have multiple monitors, a submenu will appear to the right showing all the monitors that you are able to share. Figure When you are finished sharing your screen, hover your mouse pointer at the top of the screen you are sharing and then click the Stop Sharing button. Figure 24 Sharing a Web Browser Web browser sharing is useful for showing attendees web pages on the internet. 1. Click the Share menu and then click on Web Browser. Figure A new window or tab will open in your default browser. Type the URL for the website you wish to share with your attendees. 3. When you are finished sharing the web browser, hover your mouse pointer at the top of the screen and then click the Stop Sharing button. Figure 26 7

8 Sharing Your ios Device Screen In order to share your Apple device s screen, you will need to physically connect your device to your computer. Please be aware that when you are sharing your screen, all attendees are able to see all notifications, icons, etc. 1. Click the Share menu and then click on iphone or ipad Screen.
